DIGITAL PROMOTION OF STUDENT SOCIETIES YOUR CONTENT ON OUR WEBSITE, SOCIAL MEDIA PAGES AND DIGITAL SCREENS

This document is intended for internal use only.

WEBSITE Some events organised by you, especially those organised by student societies, have a dedicated section on our website called Student Life. This section is always in the past, meaning that we publicise your content one or more days after the event has happened. Please bear in mind that all events need to be first reviewed and approved by the Communications, Marketing and Recruitment Office.

REQUIREMENTS • •

A short description of the event. A selection of photos of the event to be embedded on the website and/or Flickr.

TIPS The website requirements favour horizontal photos, especially for the cover photo, which always needs to be horizontal. EXAMPLE - National Day EXAMPLE - Student Conference

SOCIAL MEDIA The COMMS office posts students’ content mainly on three social media pages: Facebook, Twitter and Instagram. The post includes a selection of pictures and a link redirecting our external audience to the related Student Life item on our website.

TIPS • • •

If your event includes an external guest, please remember to send us their social media handles (in case they would have any). Please remember to always tag us (@coenatolin) when using your private accounts to promote an event organised in Natolin. Try as much as possible to inform us in advance about your events - this will enable us to provide “live coverage” of your activities.

DIGITAL SCREENS There are three digital screens on our beautiful campus: one at each of the student residences (Włodkowic and Retinger), and one at the Natolin Restaurant. Please bear in mind that all communication materials need to be first reviewed and approved by the Communications, Marketing and Recruitment Office.

REQUIREMENTS • • •

All posters should be prepared in vertical format and sent either in JPEG or PNG formats. All materials should be sent at least two days prior to the event.. Rooms need to be mentioned by their official names (e.g. Retinger Common Room instead of Bar).

TIPS Always have in mind that the digital screens are official CoE means of communication, meaning that all communication materials must be institutional, rather than informal.

COVID-19 During the COVID 19 pandemic all activities and student services were maintained, either on site or remotely. Since mid-March 2020 a permanent taskforce continues to monitor on a regular basis the overall anti-COVID-19 strategy and its implementation in light of recommendations made by the host and other state governments, the WHO, and the European Centre for Disease Prevention and Control. All activities have been affected, and it is important that each of us acts responsibly, always complying with the established sanitary measures, so to ensure the whole community remains safe. REQUIREMENTS • •

10

For pictures taken in closed environments, please always remember to keep wearing your masks (fully covering your nose and mouth). For pictures taken outdoors, the 1,5m distance rule must be respected.
