OVERVIEW
Establishing Undeniable Proof to Fight Denials and Win KAREN SHAFFER, MBA, MSN RN, NE-BC, ACM, CCM Executive Director of Care Management Community Health Network
INTRODUCTION
Community Health Network initiated a strategy to reduce denials while streamlining the utilization review process. The process has reduced rework and back-and-forth between departments. Centralized access to care management data has improved workflow and provided valuable information to prevent and overturn denials.
PROJECT SUMMARY & METHODS
LEARNING OBJECTIVES 1. Document insurance verification and notification activities – voice, fax and electronic – for proof to prevent and overturn denials. 2. Convert to paperless workflow by using electronic faxing and image export to the EHR. 3. Centralize insurance exchanges for enterprise access to reduce rework and shorten appeals process.
WORKFLOW CHALLENGE
Disconnect between care management and patient access ACTION
Care management absorbed employees from patient access center and surgery authorization verification team RESULT
Streamlined workflow and provided patient insurance representatives to strengthen denial management efforts
COMMUNICATION CHALLENGE
Communication gaps between care management and back end departments working patient accounts ACTION
Care management implemented technology to record phone calls with payers, send and receive faxes electronically and capture content from hospital systems and payer web sites RESULT
Care management activities – obtaining authorization, sending notification/clinicals and coordinating level of care with payers – are documented, indexed to the patient account number and centrally stored for access across the network
TIME CHALLENGE
Time spent on manual tasks such as printing and scanning ACTION
Care management implemented technology to send and receive faxes electronically and integrated it with the EHR, allowing for automatic export of captured images to the patient record RESULT
Streamlined care management’s workflow and eliminated the need to print, scan and manually fax information
