SEPTEMBER 2025 are you? Have you survived the summer? Or are you in a puddle somewhere H ow because it’s been too hot? Let’s face it. Delivering events in extreme heat is hard

work. But having spoken to so many ops professionals over the summer, I think some of you would have preferred a bit of rain. This issue is not going away. In fact, it’s been a hot topic (no pun intended) because what some are referring to as an “extreme” really isn’t. Shouldn’t incredibly hot temperatures followed by freakish storms now simply be considered the norm?

Should contingency for additional shade or trackway be scrapped and just be factored into the budget because one way or another, either of these weather events need to be planned for, and accepted?

It’s certainly an interesting topic and one that event insurance companies are keen to help with, as organisers look to make a claim on their policies. The view being that it’s better to ask for additional funds that will pay for solutions to help keep an event open rather than cancel altogether.

If you turn to page 42, you can discover what’s new in the world of event insurance, and how insurers are working with event professionals to keep their worlds turning. But this issue is packed with more than insurance advice.

You’ll find great insight from the teams behind SailGP, Labyrinth on the Thames, Southport Flower Show, and Royal Edinburgh Military Tattoo. Plus, there’s news on the speaker programme that awaits guests at this year’s Event Buyers Live. Things certainly are hotting up for the “Rolls Royce” of business events. Phil is chief executive officer of the Glasgow 2026 Commonwealth Games. Phil joined Glasgow 2026 with a strong and impressive track record in major event delivery having previously been director of ceremonies, culture and Queen’s Baton Relay for the Birmingham 2022 Commonwealth Games.

In his role as CEO of SKYMAGIC, Phil has also worked internationally to deliver a programme of global shows and events. He brings significant experience of realising the social impact from events, having held senior positions for the UK City of Culture programme and as board member of Spirit of 2012, the London Olympic and Paralympic Legacy Funder. In this issue, Phil talks about plans for Glasgow 2026, including delivery models and the central role that event professionals, including freelancers, can and will play in the sporting spectacle.

JAN RANKOU

Jan is ops account director at We Are OPS and joined the team in October 2019. She supports the production team with all its operational needs, including everything from security, traffic, and egress planning to stakeholder and community engagement strategy, licensing and local authority liaison. As well as supporting the production team, Jan also manages all the company’s back-end operations. This includes calendar management, supplier relations, event insurance, implementing company procedures, and always looking for partnerships to help young people starting out in the events industry. In this September edition, Jan talks about her role on Labyrinth on the Thames at Old Royal Naval College and how she assisted the live event’s promoter with operational and licensing support.

Alan is general manager of Southport Flower Show, which attracts more than 55,000 visitors over four days, and Victoria Park Events, an outdoor event space and community parkland adjacent to Southport town centre.

Alan started volunteering at the show in 2005 but now leads the team, responsible for its delivery. In this edition, Alan – who is also a member of Liverpool City Region Local Visitor Economy Partnership Board – discusses event developments after Sefton Council granted permission to increase capacity on the show site. But more importantly, he talks of the show’s role in bringing a community together after the tragic events in Southport more than a year ago.

Life-sized puppet animals crossed London’s Tower Bridge at the end of June. The Herds, a public art project produced by The Walk Productions in association with Factory International as part of Manchester International Festival, took to the capital’s streets on a 20,000 kilometre journey from the Congo Basin to highlight and “dramatise” climate crisis. Chris Carter, founder and CEO, Eventwise Tomorrowland’s main stage burned down yesterday. Four weeks of work, gone in 30 minutes! My heart goes out to everyone involved – the crew who watched their work disappear. The organisers scrambling to save the festival and, the finance team who are probably having the worst week of their careers right now.

But here’s what this teaches us about event financial planning. When disaster strikes, it’s not just about rebuilding – it’s about surviving the cash flow crisis that follows.

Think about it: • Stage build costs (already paid to suppliers) • Insurance claims (can take 6+ months to settle) • Emergency contractors (charging premium rates) • Artist contracts that need renegotiating • Refund requests starting to roll in The brutal reality? Most events budget 10-15 per cent for contingencies. Now this right here is a complete financial restart with 48-hours’ notice. What really impresses me is their decision to continue. That takes serious financial backbone!

The lesson for all of us: scenario planning isn’t just about, “what if ticket sales are down 20 per cent?” Sometimes it’s, “what if our main revenue driver literally goes up in smoke?”

Show of strength Determined event professionals ensured Tomorrowland rose from the ashes when fire engulfed the festival’s main stage

a devastating fire ripped through W hen Tomorrowland’s Mainstage on July

16, event professionals watched in horror.

The fire completely destroyed the electronic dance music festival’s main stage, leaving organisers with two options; cancel or come up with a last-minute solution. The majority of #Eventprofs looking on assumed that the organiser would be left with no choice but to cancel. But despite the damage, in less than

48 hours, Tomorrowland – with the help of an army of contractors – rebuilt an entirely new stage on the original site.

In what is being described as a “feat of resilience” and pure show of strength, Tomorrowland opened its gates on July 18 as planned and welcomed 400,000 attendees from more than 200 countries.

Stageco, PRG, Noizboyz, Pixelscreen, Phlippo Productions, and Prismax worked

together to deliver Tomorrowland’s makeshift main stage, a feat that was achieved in less than 24 hours. Thanks to the determination of an industry and the mobilisation of experienced and knowledgeable crew, festivalgoers were still able to enjoy the festival. Perhaps not how the organising team originally planned but the fire did not alter the audience’s experience. Moreso, it defined and solidified its spirit.

Drums and drones An army of event professionals delivered the 75th anniversary of the Royal Edinburgh Military Tattoo, which took on a fresh approach to storytelling

since Alan Lane was 18 years old, E ver it’s been his dream to work on the

Royal Edinburgh Military Tattoo. Having spent more than 20 years running his own theatre company, producing an array of outdoor spectaculars, and an Army Reservist too, Lane was the perfect candidate to take on the role of Tattoo creative director when the post became available just over a year ago.

With 12 months to “plan and plot” the 75th anniversary of the annual spectacle featuring military bands and cultural performers from around the world, Lane has taken his time to get under the skin of the Tattoo production and globally-recognised brand.

“I started this job as a fan and what I want is for the Tattoo to be as successful as it’s ever been,” he says, mid-way through the Tattoo’s run of 20+ shows. “I don’t feel the need to put my identity on it. On the other hand, I’ve been hired for a reason, and I think the reason is because the Tattoo wanted a greater emphasis on storytelling and theatricality and I’m a theatre director.”

DON’T ASK FOR THE BALL

This year, the event wished to mark 75 years of tradition, supporting British Military, Scottish heritage, and international culture.

As a result, the Royal Edinburgh Military Tattoo – a registered charity – has produced a huge celebration.

“One of the things that we take really seriously here is that we’re the largest and best supported platform for Pipes and Drums and Shetland fiddles and if we do not play our part then those art forms will be damaged so I take that responsibility seriously,” Lane adds.

“We are the Royal Edinburgh Military Tattoo.

We have stakeholders in Royalty, in this great city, in the military, and our cultural art forms, and we need to make sure they’re all getting what they need. But we also need to make sure that the tail doesn’t wag the dog and that we’re making the show that the organisation wants and the audience demand.

“When I took on the role, I wasn’t nervous, because if you’re not ready for professional football, don’t ask for the ball,” he continues.

“I’ve done my prep, worked hard and trust my team. But, yeah, if you’re not waking up in the morning, spending every single second trying to make the best show you can, then you should get out of professional show business.”

LOVELY WALLPAPER

Lane is firm in his opinions and equally strong in character. When we chat, he exclaims how happy he is with each audience’s response to the 90-minute show (9,000 capacity) featuring 950 performers, projection, lasers, and, for the first time, drones and narration.

Lane continues: “The main ingredients of the show haven’t change very much at all

this year; narration and drones being the exception. But we looked at the recipe, the order, and how we emphasise the things we want to do because those things make a big difference to how the show is perceived.”

This year’s Tattoo features a storyteller, played by Terence Rae. The character guides audiences through the show, providing a cohesive narrative thread. At one point during the evening, in a choreographed moment, Rae interacts with a ball of light (a drone) – nicknamed “Tinkerbell” by production – which hovers in his hand before shooting off into the night sky.

Lane continues: “I think the important thing with any show is you’ve got to have a story. If you’re using fireworks, for example, and if they’re only there to be spectacular, then they’re nothing more than really lovely wallpaper. Whereas I think what’s brilliant about the creative team on the Tattoo is, they’re constantly asking, what is the central story? And our central story is really clear.

We’re celebrating 75 years of the Tattoo, and we’re celebrating the people who make our communities what they are.

“Every single decision we have made, whether it be fireworks, drones, flyovers, anything, we are constantly pointing back to, what is the central story? If you ask those questions, even of a large-scale event, you’ll get an emotional return.”

PUSHING BOUNDARIES

Tom Rees, managing director of AeroAVA, the drone specialist, points out that the use of drones in the Tattoo does not make the event a drone show. It’s a show enhanced by drone effects.

For example, for the show’s climax, 100 drones form a number “75” – 40 metres in height – which fly approximately 50-60 metres above Edinburgh Castle’s North Tower, synchronised with pyrotechnics.

Beginning with a young female piper pointing an illuminated torch skyward, the drones – triggered by timecode – respond by revealing the anniversary motif, then rotate 360 degrees so the entire city can see the “wow” moment.

“We have been working closely with Harry Guthrie [production director] and Alan,” Rees explains. “It’s been a joy to hear his freshness in approach and his enthusiasm and keenness to break and push boundaries.”

SAFETY MANAGEMENT

Flying drones above Edinburgh Castle presents unique challenges. The team operates in one of Scotland’s most restrictive environments, with cast and audience in close proximity, in changeable weather conditions,

while maintaining split-second timing with live performance elements.

Rees, alongside Chris Bradbury, AeroAVA’s technical director and chief drone pilot, have liaised with Historic Environment Scotland, Police, counter terrorism, and emergency services to ensure they can deliver a safe, reliable display every night within a Restricted Area (Temporary) – or RA(T) for short.

“We coordinate with the police and production if anyone encroaches on the RA(T) so it’s more than flying drones, it’s safety management and operational management,” Rees continues. “I am display manager and Chris is chief pilot and he’s the guy who makes the final decision if we can fly or not whilst I connect with production, police and other interested parties.”

Ethan Curry, audio specialist at Auditoria, is responsible for the Tattoo’s sound design with its 72 channels of radio mics. One of his main goals is to reinforce the acoustic sound you get from instruments being played outside, in an open area, tracking the movement of the performers, matching the timing of the amplified sound to be in time with the acoustic arrival from their instrument. But for 2025, Curry and his team have also had to create a musical moment with enough impact to disguise the fact that all of the drones have flown in the air to get ready to make the “75” – a move that takes 50 seconds.

COORDINATED APPROACH

AUDIENCE JOURNEY

If AeroAVA cannot fly, there is a contingency plan. Instead of drones, the production team use lasers to create other effects that continue to tell the Tattoo story, which this year is called The Heroes Who Made Us. Since the very beginning, Rees has liaised with Lane and Guthrie, on all aspects of the show, ensuring AeroAVA and all other departments – lighting, sound, and projection

Guthrie describes the addition of drones, coordinated with big sound moments as just another layer that required some additional coordination from production, operations, and the supply chain, which includes Solotech, Creative Technology, and Neg Earth.

Kate Dawkins, video designer and director of Kate Dawkins Studios, concurs and says that this year’s show was more “interwoven”.

The addition of the narrator, and those big “theatrical spoken word moments” mixed with video sequences “lifted the emotions”, taking the audience on a journey.

It’s Dawkins job to work with the castle’s tricky, non-flat surfaces where nothing is centred nor symmetrical. It’s a challenge, she admits, but one she “leans into” to ensure every ticketholder gets a great view and sees the story being told.

However, Royal Edinburgh Military Tattoo is not limited to just using the stage and castle as its stage space and creative canvas. For example, at this year’s Tattoo, the show starts with someone playing the piano in Waverley Station, which is about a mile away from the castle. Then, as you walk up to the venue, ticketholders meet a number of buskers, all of whom work for Lane. Finally, at the very end of the show, a choir of 270 floods the auditorium. So there are ways in which the Tattoo team can apply the show to other parts of the venue and city.

SMALL CHANGES = BIG IMPACT

Ed Fenton, head of operations at the Tattoo, agrees with Lane. Whilst the confines of the castle – with only one way in and one way out – can limit the production in some ways,

the event’s success hinges on a collaborative approach to making sure all processes, procedures, and production elements run as efficiently as possible.

Fenton says that having a creative director, like Lane, who has taken the time to fully understand the venue and what the team can add to enhance the show, means the worldrenowned show remains contemporary and is taken to the next level.

Sometimes, when an event is so well established, and the venue dictates what you can and cannot do, it’s the small tweaks that add up and make a big difference. Fenton concurs and says it’s by no means stopped him and the operations team from making a big change at this year’s event.

For instance, he has worked with Buro Happold to look at code dynamics, applying that to the venue, modelling the venue, to know where to place signage. This has resulted in the Tattoo colour coding tickets and signs to reflect different sections within the grandstand seating to try and alleviate “choke points” when ticketholders stop to work out where their seats are located. “It’s those small, incremental changes that help us to keep things moving in such a tight space,” he explains. “But I also think that this

year, there’s been a real meeting of minds.

We have introduced drones to the show and like Alan and Tom have said, we’ve worked with Police Scotland and Historic Environment Scotland, who I think – perhaps in years gone by – have been concerned about drones and drone technology flying over an ancient monument. But this year, there’s been a real acceptance of the opportunity that the drones present.”

The entire Tattoo company has recognised the creative opportunity that the drones bring and what could potentially be done with them in the future, even if it’s not at the same scale.

But for now, what has stood out for Lane in his first year at the helm?

“I think the thing that I’m most proud of is all the incredible people – 950 of the most extraordinary creative team, performers over a mile away from the stage – coming together to create a single, unified emotional impact. There is a moment at the end of the show that every single technician, every single supplier, every single designer, every single performer, every single element of the show points towards at all times and that’s the business we’re in. And everybody who makes the show, buys into it and I’m really proud of them for doing that.”

Phil Batty is CEO of Glasgow 2026 and is charged with delivering the sporting event, last held in the city in 2014. As only the third city in Games history to host the event twice, all eyes will be on Batty and his team to produce a spectacle after Glasgow offered to host the Commonwealth Games when the Australian state of Victoria pulled out citing financial concerns.

Batty is keen to quash the “media narrative” that says that Glasgow 2026 – with its concentrated programme – is not a “watered down” version of the sporting competition because the event has had to be slightly scaled back. With vast experience of the Games – Batty was previously director of ceremonies, culture and Queen’s Baton Relay for Birmingham 2022 – he is best placed to address any negative vibes. “There were 281 medal events in Birmingham,” he said.

Athletics will see the return of the Commonwealth mile, track cycling has got the elimination race back, and there’s Para powerlifting on day one of the Games.

“If you love sport, this is in no way a watered down sport competition. It’s ten days of packed medal events from start to finish, taking place in four incredible venues, within an eight-mile corridor. It will be electric and you’ll feel closer to the action than ever before.”

Glasgow 2026 will deliver more than £100 million of inward investment into the city and is projected to support more than £150 million of economic value, thanks to a delivery model that has been specially designed to not require public funding.

Further funding will come from broadcast rights, commercial revenue, ticket sales, and sponsorship but Batty is keen to point out that Glasgow 2026’s new “model” is firmly based on a partnership approach.

Batty continued: “For Birmingham 2022, the organising committee had around 2,000 people. Our organising company will be 200 people. In Birmingham, we delivered a lot of stuff in-house, whereas here, we’re partnering with the supply chain – whether that’s Games management systems, venue event delivery, all of those key supply chain partners are more an embedded extension of the team.

That’s where the new model really comes into its own because there is no reason to build a central delivery vehicle when the events industry itself is best placed with the skills and talent to put on a major, major event.”

For Glasgow 2026 to be delivered on time and on budget, it ultimately comes down to partnerships, the supply chain, and engaging a wider “ecosystem”. But what did he learn in Birmingham that will benefit the event in 2026?

“One of the things that we saw in Birmingham was, if you can unlock the excitement and anticipation of a city and its people, and if you can joyfully portray that story on the global stage, that is what creates the hearts and minds moments.

“Glasgow is a city that loves to party. It loves events. It knows how to come out and enjoy itself. So I think the thing I learned in Birmingham was, if you really celebrate the people of a place, that’s where the joy exists.”

BIG SIGH OF RELIEF

As CEO, Batty believes his role is ensuring there’s a clear vision for the event and that best practice from previous editions is being taken forward.

“We’re ensuring that in the time that we’ve got, we are bringing everybody with us on the journey to next year.

“The UK has been really lucky. We’ve hosted London 2012, Glasgow 2014, the World Championships, UCI Cycling, Birmingham 2022; we have a huge number of talented people and freelancers with transferable skills and so there will be hundreds of jobs, freelance contracts, and opportunities to get involved.

“We’re embracing the modern events industry and so they’ll be flexible and hybrid working opportunities and there’ll also be some commodity infrastructure contracts that we’ll need.

“That said, with a year to go, 70 per cent of the procurement is done and in a good place,

Over the last six months, since Batty was appointed, the Glasgow 2026 team has been hard at work ensuring the venues are good to go, the right talent is being hired, and the city is ready to welcome 3,000 athletes. “We’re really fortunate that within Glasgow, there are some amazing venues, a number of which had major investment 12 years ago for 2014,” Batty added. “You definitely feel like you’re working in a city that’s ready to step up and step up with high quality venues and high quality infrastructure.”

Not having to build anything is “a big sigh of relief”, said Batty. Compared to his

which is hopefully a sign of confidence that the event is on time, on track and on budget.”

CONNECTING PEOPLE

Over the next few months, Glasgow 2026 will launch volunteer applications; ticket sales will soon follow and then the focus turns to ensuring thousands of people have an amazing event experience. But Batty is also keen to acknowledge the legacy of Glasgow 2014. Talented professionals, who started as coordinators in 2014, are now working on the event years later, in more experienced and specialist roles, and leading teams.

Batty explained: “You are the culmination of all the experiences you’ve had, every event you’ve worked on, from the big events to the small events. Each gives you a moment or a connection that you can take some skill or learning from.

“You never stop learning in the events industry. Whether that’s the work that I did in Birmingham, or whether that’s closing Abu Dhabi International Airport for a drone show [Batty is also CEO of SKYMAGIC], you’re always learning, and sometimes it’s the small events that you learn the most from.”

Batty concluded: “I remember there was this beautiful commission in Hull – when I worked on Hull 2017 – called I Wish To Communicate With You. We took two tower blocks, a lighting rig, and lit the public areas in each tower block. It was the first time that neighbours in the same block of flats had spoken to each other before.

That is something so small and so simple that proves that events can bring people together. That’s just as exciting as putting Ozzy Osbourne on stage at a closing ceremony of a Commonwealth Games.

Those two things connect people in a city on completely different scales, but with the same level of impact and that’s what we hope to achieve next summer.”

Making a splash LS Events’ Meg John on SailGP and delivering an event site fit for the hottest sailing action 20,000 ticketed fans flocked to to get it. Personally, I’ve worked on the Volvo A round Southsea Common, Portsmouth, in July Ocean Race before, and l really like working

for two days of race action. Yet, the racing action did not take place on dry land. Instead, thousands descended on the city to watch “the most exciting racing on water” when Emirates Great Britain Sail Grand Prix (SailGP) made its Portsmouth debut (July 19-20).

Prior to the race weekend, Sir Ben Ainslie, CEO and co-owner of Emirates GBR, Great Britain’s SailGP team, said that he welcomed the pressure to perform in front of a home crowd. He described the feeling – when tens of thousands of people watch you and want you to win – as a little bit intimidating but at the same time, pressure is a privilege, he said.

Meg John, project director at LS Events, can relate to that pressure. Because when StandOut met her during the build of the sailing event, it was not only boiling hot but the event would officially become SailGP’s largest event in the Northern Hemisphere. No pressure, right.

“We’ve been appointed as local operator,” John said, as she sipped a cool drink in some welcome shade. “We won the contract at the end of September, beginning of October, and we were absolutely stoked. I was desperate

on sporting events.”

BIG IMAGINATION

LS Events is no stranger to sport. It is the local operator for the Formula E London E-Prix and responsible for the planning, delivery and management of the motorsport event. In fact, John explained that after SailGP, she was heading straight to London’s ExCeL to help the team deliver the race’s fan village and operations.

“We have amazing teams that love to work on sporting events, which is great because SailGP has a very big imagination,” John continued.

Originally, the SailGP tender asked for a local operator to create an event site and fan village with a grandstand for 3,000 people.

But SailGP’s ambition and imagination kicked in. Soon after, it asked LS Events to look at how feasible it would be to increase grandstand capacity to 20,000. Not a couple of hundred additional seats. Not a couple of thousand; 17,000. A huge jump.

“We looked at increasing capacity to 20,000 but with another event before us [on the same

SAILGP footprint], it was not possible to build the bigger grandstand within the timeframe we had,” John explained.

Instead, John and the team worked hard with Arena and GL events to maximise the space to enable as many people as possible to enjoy the event on the waterfront. In 2026, that may change. But more on that later.

TRUST AND COMMON GOALS

Over two action-packed days, near sellout crowds packed the SailGP Waterfront Grandstand and Waterfront Premium Lounge to watch New Zealand claim top honours, beating Emirates GBR and Switzerland in a winner-takes-all final.

Fans were treated to a front-row view of SailGP’s F50 catamarans as they flew across the Solent at near 100 km/h, with fast, furious and physical racing made even more exciting by challenging wind conditions and a pictureperfect Portsmouth backdrop.

Chris Ball, overlay manager, Aly Ball, project manager, an eight-strong site management team, John, and an army of event contractors worked tirelessly in the heat to deliver six sites, including the race stadium, tech and team bases, and additional hospitality facilities such as VIP guest chaser boats.

“It’s not like BST Hyde Park where we operate in one massive field,” John commented. “There’s a lot going on. Here, we’re on land, sea and in the air. We have a heavy broadcast presence with four helicopters filming live content and there’s the on-water operations team (headed up

by Harry Spedding) that work for us, too. We

have to deal with permissions and permits out in the sea, working with the King’s Harbour Master and vessel traffic services for Southampton and Portsmouth because of the ferries and cruise ships that come in.”

John added: “Having teams I can trust and get on with jobs has been vital. Also, I’m really passionate about trying to show people how you can do things easier. I like being able to transfer knowledge, having a common goal, and working together; that makes things a much more enjoyable experience for everyone.”

VITAL INFORMATION

LS Events has worked closely with the SailGP team to support it as much as possible.

That’s a given, you may think. But the SailGP

calendar is so packed – there’s a race every month – that you can easily see how it would be difficult for the team to come up for air.

Hence, John and the project team have supported SailGP as best they can in terms of understanding what they want, what their standards are, and then “reproducing that”.

Reproducing? John explained further: “One of the main things we’ve done to support SailGP is to produce a space and quantities list, detailing quantities and commodities for the event. It’s basically an index of every single structure and service that’s on-site. Every single structure is given a code, including fence lines and toilets, and then we’ve detailed what are globally or locally sourced structures, so that SailGP has the exact specifications for each structure, for example.

SAILGP “I’m really excited to be able to give that information to SailGP because it’s just such a vital piece of information. I’ve done a lot of work with other local teams with Formula E, in countries where the local teams may struggle to understand what a global championship requires. Being able to have that experience and offer it to SailGP so that I can help them onboard other local teams, and make their lives easier, has been really, really important.”

LEARNINGS AND THE FUTURE

John kindly walked StandOut through the site, as event contractors busily got on with bringing the event vision to life. When we talk, there’s a lot of big, heavy scaffolding structures being erected in the midday sun for hospitality, grandstands, and screen supports.

John described the supply chain on-site as great. She welcomed the support of the “big” guns – Arena Group, GL events UK, Mar-key Group, WH Silverbacks, and Triton Project Solutions – and gave a big shout out to the Safety Geeks team and Davis Track Hire, which answered John’s call to install some emergency trackway when extreme temperatures and heavy plant equipment led recently laid tarmac to give way. But it was not the only solution that John and the LS Events team had to find when the gates opened.

“There’s always something you can learn from the first year of an event,” John explained during a post-event catch up.

“We had no data to go on so we had some big queues to get in on the Saturday which meant we tweaked some things overnight for the Sunday. With our changes, the queues moved much quicker. We learned that hard core racing fans turn up really early so we had queues form at 11am when the gates didn’t

open until 2pm. It was totally fine because we had quite a lot of space so thankfully, we were able to queue people. As for other learnings, there was no allocated seating in the grandstands but we’ll definitely be recommending to do that in the future.”

John will meet SailGP at the end of August to conduct a big debrief. However, thoughts have already turned to 2026. LS Events has a multi-year contract to deliver the event, which returns to Portsmouth next year.

“SailGP will be happening in Portsmouth in 2026,” John concluded. “SailGP wants to go bigger with the grandstands so there are lots of things for us to really look at. I always think the second year is such a great opportunity to be able to build on what you’ve learned and then look at all the other things you need to do. The first year is so much about learning everything, especially when it’s a new sport, or it hasn’t been in that location before. So, yeah, me and the team have lots to look at and process before we pull forward but we’re really excited to be working on it again.”

Raising the bar With collaboration and proper lead times, temporary structure providers can deliver the perfect structure or grandstand that will enhance your event its inception in 2012, CarFest has S ince been dedicated to supporting UK

children’s charities, donating 10 per cent of tickets and all profits from the festival to its charity partners. In 2024, the family-friendly festival raised an impressive £1.26 million and every year, it hopes to generate even more vital funds for good causes.

But whilst CarFest is known for celebrating cars and music, the three-day festival at Laverstoke Park, Hampshire, also features a packed programme of content that has nothing to do with revving engines or charttopping bands.

CarFest is comprised of StarFest, SpaFest, KidsFest, FoodFest, and RetroFest. Each area ensures ticketholders have access to a varied line-up with something to suit a wide range of tastes and interests.

These feature areas each require their own look and feel, which is why Lisa Knipe, operations director at CarFest, decided to sit down, make a plan, and consider all the structures being used at the 2025 event.

MORE PERSONALITY

A couple of years ago, Knipe looked at changing some of the structures used for regular feature areas like The Author Stage and the Chef Demo Stage. However, the new solutions she contracted did not work as well. She took the decision to revert back to the old structures but that did not stop her from refreshing other content-led areas that required something a little different.

Knipe explained: “Every year, I create a master spreadsheet with things like, what purpose the structure needs to serve, what the capacity needs to be, and does it need to be light.

“This year, we took a step back and said, actually, what area of the event is the structure going to be in? So if it’s in KidsFest, it has to be a colourful big top. If it’s in SpaFest, it needs to be a wood frame, because it needs to fit with that earthy, natural look. If it’s in RetroFest it has to look retro. That approach has actually worked really well and I’m hoping it will give the festival a bit more personality.”

NICE CHALLENGE

CarFest’s temporary structure requirement is huge. In total, the festival utilises a blend of tipis, stretch tents, Sperry tents and big tops, or – to be more precise – 60 structures, 44 clearspan structures, 42 chalet huts, and 200 gazebos.

“I searched high and low for some structures,” Knipe added. “When I rang people and told them the CarFest dates (August 22-24), I always got the same response: ‘What weekend? That’s the busiest weekend of the year’. So, for example, we’ve had to get Sperry Tents from 10 x 15, Sperry Tents Padstow, and White Bison. Because we were looking for something very specific, we had to cast the net quite wide but that’s been a nice challenge for 2025, managing all those suppliers, including about eight new ones.”

But how did Knipe manage that tender process? Knipe has a temporary structures budget and previously, has allocated the budget between different areas of the event by deciding what needs to be spent in a defined area.

But this year was different. Knipe commented: “I took every line that had a structure value next to it, and I had one big pot to play with. That gave me a lot more freedom at the very beginning to say, well, actually, I’m going to overspend here because we’ve booked this amazing 20-metre dome for SpaFest because it’s way more suited to wellbeing.

“For that, I know I’ve triple spent on the budget line because I really wanted that type of structure but then in another area, I’ve underspent. The nice thing about the budget is having a pot with a bit of wiggle room and a bit of flexibility in it. And I will tell you, there isn’t a line in that budget, I don’t know,” Knipe laughed. “Honestly, I’m like a sniffer dog if someone makes a change.”

EXCITED

When we chat, Knipe and her team are about to go on-site and deliver the event.

She is excited to see what the new structures will look like and the impact that their presence will have on the overall look and feel of the event and like many savvy event professionals, she knows that they will make a big difference.

Katie Hart, director of Chord Event, concurred. Like Knipe, event agencies and organisers are striving to achieve more unique finishes, taking into account both sustainability and cost efficiencies, Hart said.

“Our product offers this flexibility to achieve a creative and ‘bespoke’ finish from an essentially ‘off the shelf’ product,” Hart explained. “With our large inventory of kit, combined with our technical knowledge and close working relationship with the manufacturer and structural engineer, we can produce structures that are unique in look and feel from the next.”

At Goodwood Festival of Speed, for instance, Chord Event delivered structures for Hyundai, Lamborghini, and Lotus. Each car marque used the same Chord Event system but each structure was designed to give guests a completely different brand experience. For example, Chord Event worked with Collaborate on the Hyundai N booth, which celebrated the global debut of Hyundai’s IONIQ 6 N.

The structure measured 20m x 35m on a 7m leg with a 20m x 10m double deck element within that footprint. But Chord Event also incorporated a grandstand into the activation, which seated more than 160 people.

“This element required a lot of additional engineering to move the structure uprights 5m back to offer unobstructed views of the track,” Hart continued.

CREATIVE AMBITION

Like Chord Event, Showblock – an Arena company – worked with several event agencies at Goodwood FOS. For example, it delivered a three-storey structure for Honda in collaboration with Jack Morton Worldwide.

The space featured multiple zones, including a film studio with a ceiling-mounted LED screen, and dedicated product display areas on the second floor showcasing both cars and motorbikes.

Showblock’s new product called Volume, which offers more than five metres of internal height, compared to the standard 2.54 metres found in other structures from the Showblock family, provided the additional internal height needed to suspend the horizontal LED screen, something that would not have been possible with standard modular structures.

Nick Cole, founder and managing director of Showblock, said of the project: “Because the build was based on our modular Showblock system, it could be delivered

He continued: “We also supported TRO on a multi-level activation for BMW at the same event. BMW is another bold and immersive build that took full advantage of the Showblock system’s scalability and clean architectural lines. The BMW space is always a standout: it features vehicles displayed across all levels, including on the roof of the three-storey structure. This requires precise engineering and structural flexibility, all made possible by our robust steel framework.”

However, Fews was not the only temporary structure specialist on-site, providing vital infrastructure to the event’s organising team.

GL events UK, Arena Group, Triton Project Solutions, Mar-key Group, and WH Silverbacks worked with SailGP and LS Events, contracted to the event as local operator, to deliver a range of structures for the mega sailing event.

Will Janes, business development manager at GL events UK, which recently provided structures to the Scottish Open (see front cover photo), Sandringham Flower Show, and Hay Festival, explained: “Customers

increasingly seek premium locations and value for money, they want the best seat in the house. This demand for quality and experience was perfectly demonstrated in our work at SailGP in Portsmouth this July.

“Following months of meticulous planning with LS Events, we successfully delivered an extraordinary temporary grandstand (one of the tallest we’ve ever built) that didn’t just meet expectations, it exceeded them. The project was completed on time, following a rigorous and safety-first approach throughout. This achievement showcases the flexible, technically excellent capabilities of our seating team – qualities that truly set GL events apart in a competitive market.”

BEST SEAT IN THE HOUSE

Volume was also used in Riyadh, Saudi Arabia, for the WWE Night of Champions to create a retail space, marking the first global deployment of the new product. The structure included a separate mezzanine level, clearspan glazing, and large-format vertical graphics, which are highly desired by sporting event organisers.

Similarly, SailGP required a “highperformance, visually striking, and weather-resilient solution” to be used for the official merchandise outlet at SailGP Portsmouth in July. It contracted Fews to supply its new Avantgarde marquee to the sailing championship.

Fews’ Avantgarde structure – a 110m x 15m black framed marquee – provided the ideal solution. The company made a sixfigure investment in Avantgarde and took delivery of the new product in June, just in time for SailGP. The structure’s horizontal windows were branded using contra-vision

MAXIMISING SPACE

GL events UK worked alongside Arena, which installed SailGP’s main grandstand with more than 4,750 seats. According to Dave Withey, sales and marketing director of Arena UK and Europe, the prime objective was to maximise space and to enable as many fans as possible the opportunity to get closer to the action and enjoy every moment of foiling drama on the Solent.

Sarah Hodson, project director at WH Silverbacks, was also approached by SailGP and LS Events to assist with some trussing structures for the event, including a covered terrace area, which was to run alongside another structure called the Adrenalin Lounge.

Hodson explained: “This space allowed people to come out from the main marquee into a fantastic viewing area for the race. The space was a 4.5 x 70m long truss box with white stretch tent roofs. We used angular brackets, enabling it to look like an extension to the marquee. This area was dictated to us by the available space on the promenade.

The structure fit like a glove, which is the nicety of trussing because you can create the shapes you need.”

WH Silverbacks also created the Premium Waterfront Terrace. Hodson continued: “These were individual structures used as a viewing area where people could relax, eat, enjoy the racing, and party at the same time.

These consisted of three different truss boxes, which curved around the contour of the promenade, with grey stretch tent roofs.

“We worked quite closely with Triton on this one, as there were no ground fixing

ENGINEERING EXPERTISE

According to Hodson, the on-site build was quite tight in regards to build time and space, particularly with the amount of suppliers onsite. However, everyone worked together to deliver the event and make it a success.

Withey concurred. The project, he said, required “experience” to get it over the line, given the “tricky” site, which was open to the elements. SailGP wanted the grandstand – which was 44 rows deep – to be as close to the water and racing action as possible, which

from a structural perspective required a lot of work, considerable engineering expertise, and a collaborative approach with all key contractors working side by side.

COLLABORATION

Janes believes that there is a growing trend for collaboration and open channels of communication, guided by well-defined criteria. This kind of approach delivers the best outcomes, he said. With organisers and suppliers working together to ensure any tendering processes result in the right solution for the event.

DIVERSE SPACES

Yet the concept of collaboration and partnership working is no stranger to largescale overlay providers that work on major event sites. For example, Arena worked alongside Neptunus to deliver the South Pavilion and centre court seating bowl at HSBC Championships at the Queen’s Club in June. The Lawn Tennis Association wished to give customers a better viewing experience, better sight lines, and a better hospitality experience. But how the seating bowl linked to the South Pavilion required some head scratching and honest and open conversations between the two companies.

This is not the only example this summer, where event suppliers have had to work together to deliver events that are remembered for the right reasons.

For instance, Field and Lawn recently delivered a large temporary venue for Manchester Samagam, a four-day Sikh spiritual festival at Heaton Park from August 7-10. The word Samagam comes from Sanskrit roots, “sam” (together) and “agam” (coming) meaning a coming together or

confluence. Therefore, it was the organising team’s wish to create a space that its congregation simply did not want to leave once they were there.

Manchester Samagam, a registered charity which organises the event, required a diverse range of structures. In fact, more than 7,400 square metres of structures. But with Parklife Festival and two Oasis concerts also being held in the park over the summer months, managing the overlap between the de-rig and install of these events was “tricky”, said Tom Goodman, the event’s project manager.

“Installing for the Samagam was a unique departure from our usual work in festivals and large-scale events,” said Goodman. “This project required deep cultural sensitivity where every structure and finish had to reflect its purpose. With thoughtful guidance from the organisers, we adapted our methods and installation programme to honour Sikh traditions creating functional, respectful spaces that supported worship, service, and unity.”

CONTINGENCY

Heaton Park became Goodman’s second home over the summer months. Thankfully, Manchester Samagam used different entrances to Oasis so getting the right kit to the right location was not a problem, especially as the

specifications for the event were received by Field and Lawn in early January.

“As the event grew closer, there was a significant amount of rainfall which put the site location at risk,” Goodman continued.

“We were actively exploring a contingency location, adjacent to Heaton Hall. Right up to the Thursday before the installation on Monday the actual build location was up in the air. We created a plan for each option but thankfully, the original location cleared in time to install to the original plan.”

MAXIMUM BENEFIT

It’s true; temporary structures really do have the ability to significantly enhance the visitor experience and raise the bar.

But according to Hart and Ashley Austin, managing director of Evolution Dome, which recently launched the Quiet Qube and installed structures at Battersea Power Station for Lego’s Build the Thrill event, great things can only be achieved if agencies and organisers allow enough time to plan ahead. This is a point that Matt Porter, head of sales at Fews, also agrees with. A nervous market in Q1 of 2025 – thanks to Trump and his tariffs – resulted in cautious brand spend.

Furthermore, it all comes down to that age old adage, Porter said: book early to secure the best price and the best kit, and let’s do away with an almost adopted Amazon Prime mindset to ordering equipment.

Austin concurred and concluded: “The trend towards compressed project timelines continues, driven by an air of caution in the uncertain economic climate. We recently had a project confirmed less than 24 hours before the event, and while we can facilitate rapid deployment, this still requires time to organise transport and crew. Ultimately, these shortened lead times reduce the effectiveness of the collaborative process, preventing clients from gaining the maximum benefit from the final structures.”

These are just a handful of the topics to be discussed at this year’s Event Buyers Live (EBL) when the annual hosted buyer event returns to Carden Park, Cheshire, from November 10-12.

StandOut Multimedia, organiser of EBL, can exclusively unveil details of the event’s respected content programme, alongside a number of experienced industry professionals who will facilitate the intimate sessions.

And with more “How to…” sessions to be revealed, the event is shaping up to be the most targeted yet, providing hosted buyers with food for thought, inspiration, and practical information.

Including what it’s like to step into the shoes of a neurodivergent event attendee.

In an immersive and eye-opening session, Helen Moon, co-founder of EventWell, will explore with attendees what it really feels like to plan for, travel to, and attend a live event as a neurodivergent guest.

From pre-event overwhelm to on-site sensory triggers, this session will unpack the hidden barriers that often go unnoticed by organisers – and the simple, powerful shifts that make a world of difference. It’s the perfect session for anyone who wants to move beyond tick-box inclusion and design events that genuinely welcome everyone.

Take cover What type of events and incidents would you like to insure your event against?

Insurance experts discuss new products, market trends, and things to consider, including extreme weather, civil commotion, and parametric cover… the last few years, extreme weather O ver events have forced event organisers

to cancel their events and lean on additional resources to get them out of the mud – in some cases, quite literally. But when most people think of extreme weather, they think of rain and wind. Now, as the UK gets to grips with its fourth heatwave of the summer, there is a growing consensus that considerably hot weather is no longer a rare occurrence but something the live events industry should get used to.

Event insurance experts agree, especially given the number of organisers they have worked with recently to keep the event gates open and avoid cancelling an event altogether.

“When people think of extreme weather, they think of wind and rain, but I

think heat should now be taken into account,” explains Tim Rudland, client director at Tysers Live. “A couple of weeks ago, we worked on a 20,000-capacity show and the festival’s health and safety team and local authority were concerned that the audience were going to be exposed to the intense sun. There was going to be no cloud, little shade, and they were worried that the medical tent might get overwhelmed.

“We talked to the team on the Monday and discussed ideas; things they could use to mitigate the heat, such as gazebos to shelter security staff, misting stations so people could cool down and additional shade for customers.

Then, we went down to site on the Tuesday and got all the additional measures signed off. Within 24 hours of that first call, the funds were given the green light.”

Rudland continues: “Yes, event cancellation insurance

policies cover things like cancellation, abandonment, curtailment and interruption but they also cover additional costs, and an insurer would rather you spend X amount on some extra measures if it’s going to be cheaper than cancelling the whole show.”

ALL REASONABLE STEPS

Rudland is not alone his view. Matthew Meredith, CEO of LMP Group, Simon Nicholson, client director of 1783 Group, and Gary Brooks, client director of Specialist Risk Group, concur. Cancellation insurance is at the forefront of any organiser’s mind and the topic is as important as it’s ever been. The earlier people put a policy in place, you more value you get from it.

“We meet so many people who go on sale and see how things are going before deciding whether or not they purchase cancellation insurance,” says Brooks. “People really do need to

EVENT INSURANCE be thinking things through and document everything. What are the contingency plans if you have to cancel because if you’re an organiser and you have to cancel, what you’ve done and what you haven’t done gets recorded. Cancellation is the necessary cancellation, but in that word necessary, it’s assumed that you’ve done everything you possibly can at all stages.”

Brooks advises organisers to plan for everything and ensure risk assessments, wet weather and hot weather management plans are written and available. Claims move a lot quicker if the above is evidenced and an organiser can clearly show that they have taken all reasonable steps, he comments.

Nicholson agrees. Underwriters are more receptive to organisers who are able to provide event management plans upfront and organisers who are able to provide thorough detail, immediately, or early on in the process, are getting “more favourable rates”.

FIRST LOSS

Charlie Austen, a broker at Vento, advises that as Martyn’s Law has received Royal Assent, some insurers are starting to require organisers to adhere to the UK Government counter-terrorism guidelines: CONTEST. He warns that insurers are looking for organisers to evidence this in event management plans, and clearly cover off the four P’s: Prevent, Pursue, Protect, and Prepare, otherwise some insurers are removing Terrorism cover under the Public Liability Insurance section of a policy, he adds.

Austen also suggests event professionals should consider First Loss insurance. It’s a type of cover geared towards organisers with multiple events. The First Loss option is essentially a “floating” amount of cover across multiple events. For example, if an organiser has ten events and each event takes £1,000,000 in revenue (£10m total revenue), then a first-loss option could be £4,000,000 of revenue. You are essentially covering yourself for no more than four of the events to suffer a full loss. If there is a full loss on event one and £1,000,000 is paid, then £3,000,000 is left for the remaining nine events. This also has benefits for National Mourning for King Charles (an extension that can be purchased to the policy), as this can only be triggered once then, using the same example, the insured party can have a sub-limit

of £1,000,000 for National Mourning, rather than purchasing it for each event (resulting in significant savings).

WEIGHING UP THE COSTS

Vento has recently launched Rainy Day Insurance because rain at an event can impact on-the-day revenue by up to 40 per cent.

With the number of named storms in the UK trending upward, there’s never been more need for this product, argues Austen.

“When the weather isn’t bad enough to cause a cancellation and trigger an event cancellation policy, organisers and vendors are still exposed to significant losses due to poor weather,” Austen explains.

“Ticketholders arrive early, leave late, or don’t turn up at all, and walk in sales drop. How does it work? Set specific times and choose the amount of money to safeguard (For example, £20,000 at 1cm of rain from 5pm8pm). If it rains as much as the threshold set during those times, the full amount is paid out.”

Austen says that this type of insurance is a fraction of the price of an event cancellation policy whilst still providing meaningful cover.

You might hear insurers also refer to this type of cover as parametric weather cover, which is becoming more prevalent in the market, says both Meredith and Nicholson. But Nicholson argues that parametric cover is expensive so it’s perhaps not ideal for organisers on a tight budget. Therefore, you need to weigh up the cost of the cover versus what you might lose in revenue if it does rain, for instance.

THINGS TO CONSIDER

Parametric cover is not the only type of policy that might need to be considered given the current climate. Specialist Risk Group is working on a new product specifically for event industry freelancers, 1783 Group is advising promoters to consider cyber extensions, which will cover bar sales and failure of POS through Wi-Fi failure or cyber-attack. Protectivity says that it and insurance partners have seen more of an interest in covering a wider breadth of cover under event cancellation, covering things that are not usually covered, such as civil commotion or acts of terrorism that lead to a public event being cancelled.

another consideration because of the rising number of artists and performers pulling out of events and festivals because they are being “cancelled”. But that’s not all. Vento warns against underinsuring, a rising practice because business owners are keen to save on their insurance premium.

Austen comments: “When the full value of the property/equipment that the insured is responsible for is not declared then rule of ‘averages’ applies to claims, whereby the claim amount is reduced in proportion to the level of underinsurance.

“For example, if the full value of hired-in equipment is £1,000,000 and the insured takes out a policy for £100,000, then they are only insuring 10 per cent of the full value (underinsurance). If a claim occurs and the insured claims for £100,000, the claims teams will identify the level of underinsurance and reduce the claim. In this example, 10 per cent of the claim amount would be paid out, so the insured would receive £10,000 (provided that there is no excess/deductible).”

ENGAGE THE COVER

Rudland says that the insurance market has settled and there is better value to be had.

Organisers should not accept the same price on your insurance premiums that you got last year. Event professionals should be able to either get a slightly better rate or slightly better terms.

“The absolute key is, as soon as you’re spending money, you should engage the cover,” concludes Meredith. “If you’ve got profit cover in there, for example, you can make a claim at any point for cancellation. If it’s just costs cover then you get paid for what you’ve incurred. The policy costs the same for 12 months as it does for 12 weeks, so you really want to get as much value out of it as possible. A lot of providers, us included, will offer instalment schemes so you can get 100 per cent of the cover with just a small deposit.

“But buy it now. Circumstances can change.

There is a weakened appetite for festivals and outdoor events because the claims are just never ending. You’re at the mercy of a good year or a bad year, with storms and hurricanes and so my main advice is just always bind as soon as you can.”

Blossoming community Victoria Park Events’ Alan Adams on how Southport Flower Show is uniting a community after being rocked by tragedy

to meet Alan Adams, general manager of Victoria Park Events and Southport Flower Show. When StandOut arrives, there are just two weeks to go until the established flower show opens its gates to thousands of horticultural fans and extended families looking for a great day out.

The show office is a hive of activity. Show gardens are starting to take shape, marquees are going up, and toilets are being painted.

Suppliers – such as GL events UK, Sunbelt Rentals, DCRS, Childwall Table and Chair Hire, and Logica Security – are on-site. It’s a busy time but Adams hands StandOut a brew. He makes a point that it’s Lancashire Tea, clearly proud of the area’s heritage.

Twenty years ago, Adams walked through the same show gates. He was a volunteer, answering visitor queries in the Amateur Growers Marquee from 2005. Now, 20 years on and Adams is at the helm, shaping the event’s future and ensuring the show – and the park – sit at the heart of the community.

ALAN ADAMS (he/him) “I’ve never really been the normal volunteer,” Adams says, recalling his volunteering experiences. “I’ve been one of those people where I’ve always helped more than perhaps I should have done. I’ve always given 100 hours rather than one hour because if people invest in me, you get me 150 per cent – that’s what I do.”

Adams says volunteering is sometimes a thankless task; something you do for love and not for the thanks. Much like the world of events. No one signs up to long, unsociable hours and sleepless nights for the money, but when a show delivers, there’s a great sense of achievement and satisfaction, not just personally, but because of a team effort and that’s when it all means so much.

“What a lot of people don’t see is what really goes into an event and managing an event,” Adams continues. “I get approached by a lot of people on the park who want to come and do their own event, and that’s happened a lot, especially over the last year.”

PAUSE AND REFLECT

Adams is referring to the significant number of enquiries he has had from people who want to organise tribute and fundraising events in Victoria Park following the tragic events of last summer. On July 29, 2024, Bebe King, Elsie Dot Stancombe, and Alice da Silva Aguiar were killed by Axel Rudakubana at a summer holiday dance event held in

BUSY AISLES the town. That awful incident happened two weeks prior to Southport Flower Show 2024.

It resulted in the show – which was set to mark its 100th anniversary with a huge fanfare – pausing all marketing and it became a place for the local community to reflect and unite.

Naturally, in 2024, when news broke of the of the tragic incident, Adams, his team and anything show related fell silent. Southport Flower Show did nothing for a week out of respect. All eyes of the world were on Southport and the support for the town was evident. A decision to proceed with the event was taken and Adams says, the sad events of July 29, 2024, inspired him and his team to do better.

“We had to continue,” he explains. “We had to continue for the town; it was vitally important. There were lots of phone calls and daily meetings with the police, and it showed that in the events industry, you don’t know the week before the event or two days before the event, what’s going to be thrown at you. This was a massive curveball. Fortunately, we rode it. It did smash all the plates and windows behind us but we were respectful.

“So, yeah, the lesson I think for me is never take anything for granted.”

MINDFUL

As general manager of the park, and not just the show, Adams and his team must be mindful of the events that take place at the venue. “People don’t realise how hard it is to put on any kind of event; to consider traffic, to consider first aid, security, staging, audio, infrastructure, fencing, you name it.

“I remember getting approached on the evening that the atrocities took place. A group of people wanted to do something and I told them to go away. It was a totally inappropriate time to ask and I’ve maintained that we will not do anything unless it has the approval of everyone affected by that awful day because anything in the girls’ names has to be so sensitively handled.”

Adams continues: “I don’t think people appreciate what goes into an event. I think

“I’m responsible for this park which has a great team and a supportive board of directors but 51 per cent of my mindset is thinking about what we do in the park and 49 per cent of my brain is thinking about the town and what’s great for the town. “ For Adams, this is a particularly important point, especially after the events of 2024.

He desperately wants people to remember Southport as a place to come and have a great experience, not a place to be remembered for the atrocities that took place. But he is also aware that he, his team, and anyone associated with the event must be respectful of everything that happened and all the families involved.

Adams continues: “For instance, just before you arrived, I was chatting to Alice’s mum because we are supporting each of the charities that have been set up in the girls’ names. They are selling merchandise at the show so again, we’re very much about supporting our community.”

VALUABLE ASSET

Victoria Park Events is a £1.5 million company, with £1.4 million linked to Southport Flower Show. The show receives no council funding, directly contributes £5 million to the local economy, and its value to the town exceeds £20 million, Adams explains. That’s why it’s so

important that the show delivers on all levels and is seen as a valuable asset.

Moreover, Adams believes that Victoria Park Events’ ability to “constantly deliver” is what sets the space apart from other green spaces in the area.

Sefton Council recently granted Victoria Park permission to raise licence numbers from 9,999 to 14,999. This will enable Adams and the Victoria Park team to attract larger events into the area that they have not been able to engage with before. Revenue from events is reinvested into the upkeep, operations, and infrastructure of the 34-acre park, ensuring it remains a free and vibrant space for the community.

But right now, Adams is looking at a scarecrow, which will form part of a scarecrow trail and festival within the show’s fence line.

It has boobs and a dog collar because the scarecrow is modelled on a local female vicar.

It’s all in a day’s work for Adams and his team, who are currently conducting a strategic review of Southport Flower Show in its entirety with the aim of cementing its future.

“The council has recognised that we’re fundamental to the area and they recognise us as being the premier outdoor event space in Southport. Hopefully, we might get some future investment and we’d love a grant or some funding. We’ll take anything we can get because obviously, we want to continue delivering a successful show that evolves but doesn’t lose its focus.”

Best Barcode, bar none LS Events successfully delivered GroceryAid’s Barcode Festival at a new location GroceryAid launched Barcode W hen Festival in 2018, the charity aimed

to raise vital funds for industry colleagues in the grocery sector. Little did it know, but eight years later and the 2025 edition of the

fundraising event would not only raise more than £1.4 million for people facing a tough time but it would also move to a new home, capable of handling any future expansion plans.

Barcode Festival 2025 got a facelift and moved from Magazine London to Kenwood House where it welcomed more than 5,000 attendees and featured more than 100 brand activations.

GroceryAid – which supports grocery industry professionals with free and confidential support, financial grants, and a 24/7 helpline managed by qualified counsellors – contracted LS Events to deliver this year’s Barcode Festival. The event production specialist provided a turn-key solution: from venue sourcing and creative site design to event production, staging, branding, technical delivery, and artist and partner liaison. Plus, its specialist division, LS Bites also curated VIP and artist catering, alongside ten top-tier front-of-house food traders.

entertainment, and community in the stunning grounds of the stately home.

“Our expertise in delivering large-scale festivals supported GroceryAid’s ambitions for Barcode Festival,” said Archer. “We took our client on a journey that transitioned the event from a corporate ‘festibition’ to an immersive outdoor festival environment.”

PREMIUM EXPERIENCE

LS Events led on the scoping of a new venue that would futureproof the ambitions of Barcode Festival, allowing it to grow into its new identity.

The event featured 127 brand activations, two stages, a wellness area, and complimentary food and drink provided by sponsors. LS Events’ expertise in site design focused on creating dwell spaces to prevent sensory overload and ensure a consistent flow of visitors to all sponsor stands.

Kenwood House allowed for a more thoughtfully curated guest journey, where sponsors could be strategically placed based on their offerings, such as wellness brands near the wellness area and “louder” activations near the main stage.

Carefully considered site design prevented overcrowding and enhanced the overall guest experience, ensuring visitors could easily

navigate and engage with different areas, facilitating natural interactions with sponsor partners to make it feel less like work and more like a premium festival experience.

Archer continued: “LS Events’ high standards of operational excellence were central to delivering a premium Barcode guest experience from the moment of arrival to exiting the site and returning safely to central London and beyond. For example, there was meticulous site design for efficient entry lanes, sufficient staffing to prevent queues, and successful taxi marshalling which saw 186 black cab pickups.”

A STEP FORWARD

LS Events’ expanded services for Barcode to include artist liaison, hospitality, and stage production, which involved managing content changes from DJs to larger acts like B*Witched.

“We also offered extensive support on health and safety, site design, and structural elements, ensuring proposals were safe, and involved A&D Health and Safety in the consultation process,” Archer added. “Our lead on technical production required careful stage design, artist advance work, and securing necessary permissions for creative elements like haze and lasers due to the presence of a Henry Moore sculpture.”

A collaborative approach alongside GroceryAid’s sponsorship team helped sponsors adapt their activations – in some cases exhibition-style stands – to be more suited to the outdoor setting.

Furthermore, LS Bites curated a diverse group of premium food traders to ensure Barcode ticketholders enjoyed diverse culinary options. The aim: to deliver variety, quality, and creativity in every bite so that guests felt considered and included.

“By working with traders we know and trust, LS Bites guarantees consistency, professionalism, and flavour,” Archer explained further. “These strong relationships allow us to deliver premium, flexible offerings that meet the needs of both the client and the crowd.”

LS Bites partnered with traders who could deliver multiple high-quality food and beverage options without compromising on quality or taste. Plus, the team also provided F&B hospitality for VIP, artists and crew. Reducing the need for multiple food production areas because space was at a premium.

Archer concluded: “Our experience in delivering large-scale outdoor festivals has allowed us to help Barcode Festival take an exciting step forward in 2025. The move to Kenwood House not only elevated the setting, but also offered brands a unique platform to showcase their summer activations.”

Making waves Labyrinth’s Michael Dicks and Nick Castleman discuss Labyrinth on the Thames on a historical site is probably W orking one of the hardest things you can do,”

says Michael Dicks, co-founder of Labyrinth, the independent promoter. Yet, here he is, standing in front of StandOut at Old Royal Naval College (ORNC), one of London’s most beautiful heritage buildings. In just a few days’ time, Dicks and his business partner Nick Castleman will open the gates to Labyrinth on the Thames. They will welcome thousands of music fans across six nights, who are all excited to watch a host of contemporary dance music artists. It’s the perfect convergence of old and new.

“When it comes to putting on festivals in venues like this, there’s no tolerance for damage, there’s no tolerance for taking shortcuts, and everything needs to be done properly,” Dicks continues.

INCREDIBLY LUCKY

Together, Castleman and Dicks are ushering in a new area. Labyrinth on the Thames launched in January. It’s described as a “ground-breaking” open air live music series with a 10,000 capacity, and it’s an ambitious concept uniting culturally relevant talent on a UNESCO World Heritage Site.

Over the years, ORNC has hosted classical concerts and even equestrian and shooting events as part of London 2012. But it’s the first

“We were looking for a venue to host a party called Lost In A Moment, which was all about going to unique spaces,” explains Dicks. “We ended up taking that somewhere else, but we saw ORNC and thought what a

great place it would be to do a festival, not really thinking that it would ever happen.

Nick emailed the events team, and it just so happened that the timing was right. We’re fortunate that the Old Royal Naval College team could see what we wanted to do, so we’re incredibly lucky.”

Castleman says younger audiences buy into the location and therefore, he believes it’s as much about the space as it is the artist.

Marketing the show has been a dream, he adds. But Labyrinth “got lucky” with the bookings, too. Castleman and Dicks’ choice of artists resonated with a demographic looking for mesmerising experiences. Tickets soon sold out. But not only that, high-end and highpriced VIP experiences – including backstage tickets and on-stage tables with waitress service – also sold out. It freed Castleman and Dicks to focus on delivery with a “moving beast” of a budget.

COMPLEX SITE

Dicks is busy unpacking boxes. Everyone is working hard to ensure Labyrinth on the Thames is a huge success but Dicks is realistic.

He knows there might be challenges, he knows that things will crop up that he hasn’t even thought about, and he knows that people might not move across the site how he expects them to. Castleman agrees. He recognises the site is complex and because it’s Labyrinth’s first year, things are changing. The team is figuring out how it works and that needs patience.

That’s why We Are Ops and The Fair, both part of We Group, are there to hold their hands with production, site, and operations and health and safety services.

Millie Devereux, senior production director at The Fair and Jan Rankou, account director at We Are Ops, are busy on-site, loading in production, siting equipment, and managing contractors.

For example, there’s a big pedestrian route through the middle of the site, which is different to most greenfield sites, so Rankou has worked with the venue on access, safety, and build schedules.

“We’ve had to think a lot about how production teams and contractors move around the site,” Rankou explains. “It’s been more of an operational-led schedule compared to other events that we usually do.

“We don’t have loads of space where we can unload infrastructure so suppliers need to come in one by one because we need to make sure we don’t clog up traffic in the local area. Also, we don’t have many turning circles so everything’s all coming in based on time. How long is it going to load? What’s the weight restriction? Where can they go?

When can’t they go? So we’ve had to bring in CSAS traffic management team to help with the traffic and have additional security and stewards in place to help support everyone.”

SOMETHING DIFFERENT

Rankou worked with Castleman and Dicks and applied for Labyrinth on the Thames’ premises licence. She has been working on the project since 2024 and knows it inside out.

“It’s not been an easy site to work on,” she adds. “I’m used to being in a green field with a fence around it but here, we’ve had some challenges during the build but nothing that we haven’t been able to overcome.”

For example, there’s a small cruise ship docked in the Thames with cruise passengers using Greenwich Pier to get off the boat and go on day trips. It’s a detail that Rankou and the team were unaware of so they are now working with the cruise company to ensure its coaches can pick up and drop off passengers. And the coaches need to use the site’s turning circles to turn around, which impacts production traffic.

“You never know what’s going to pop up,” Rankou continues. “Sometimes some plans may not exactly work exactly how you’ve

planned it. You just need to stay calm and have a rejig because we’re doing something different, showing that it can be done on a site like this, being extra cautious of all the Grade I listed infrastructure.”

Dicks concurs. “As a promoter, we really want to see people recognising that we are doing something different, going to unique spaces,” he says. “If it’s difficult to do, we’ll find a way; we’ll work through challenges, work through solutions, rather than say, ‘This isn’t suitable for an event’. And I think that’s what we really want to change. The key thing about ORNC and Labyrinth on the Thames is no one knows what to expect. There’s a stigma attached to electronic music that isn’t justifiable and so I hope people see a calm, controlled audience, that the shows are just like any other and that we’re really focussed on doing it well.”

Tapping into the market WeCraft Events’ Mike Bromfield on lessons learned at Lazydays, the independent festival hoping to put craft drinks and good music on the map in Southend to play in this park when I was a I used kid,” says Mike Bromfield, director and

co-founder of WeCraft Events. Bromfield is giving StandOut the grand tour of Priory Park in Southend-on-Sea, the location of Lazydays Festival, an independent craft drink and music festival in its second year.

Bromfield is keen to shout about developments and his vision for the festival, which is all about celebrating independent craft drink producers and great music.

“Lazydays started as a pub conversation between me and some friends,” Bromfield explains. “If we were to have an event, what would we want that to feel like, and what would be the ethos. We wanted to create a community around an event. Celebrating independent businesses was really central to that.”

Lazydays launched in 2024 after that initial pub conversation in December 2022. “In year one, we learned how much of an emphasis in the marketing we put on craft beer,” Bromfield continues. “Last year, we created a sessional event, again that tie-in with the craft beer world, and ran two sessions on the Saturday and one on the Sunday but that has changed for 2025.”

MID-SALE PIVOT

Lazydays Festival runs over three days and each day is tailored to a slightly different genre of music. When the team originally booked the artists for this year’s festival, it ensured there was a synergy between the

artists that would play the afternoon and evening sessions. The festival went on sale with its sessional model but in May, Bromfield, Elliott Waters, and Andy Williamson, also directors of WeCraft Events, decided to merge the two Saturday sessions into one.

Those who had tickets to both sessions were upgraded to a weekend ticket.

This move was something he and the team planned to do for 2026 – sell day and weekend tickets – but the data they had suggested the mid-sale pivot would benefit all involved, including ticketholders.

Customers were sent really clear and segmented comms, which were well received across the board. So well received, it’s a format that WeCraft Events plans to carry into next year.

But first, more on learnings from 2024.

Bromfield adds: “One of the things that bit us last year was because of the sessional nature of the Saturday, people essentially had five or six hours to come to an event, so they all wanted to turn up right at the very start.

Therefore, ingress was a tiny bit slow and we didn’t put enough crew on.

LAZYDAYS “Now, our ticketholders have a 12-hour day, and I think, a combination of more staff, a better queuing system, and a longer day, we’ll have a more staggered nature to ingress.

“Also, I learned work smarter, not harder, and try not to take on too much ourselves.

You know, work with really good suppliers that save you time.

“Last year, we employed all our staff directly. That was a really big challenge, and so now we’re working with an agency to do that. We found that vetting and finding a load of good staff, rotating them ourselves, and individually paying everybody is an awful lot of hard work. I guess, especially as we’re such a young business, when we’re doing it all ourselves, it’s important to choose where to prioritise your time.”

INVESTMENT

It’s not the only lesson learned by Bromfield, Waters, and Williamson. For 2025, the second stage has been moved and the main stage has increased in size because the team struggled to fit some of the artists on it last year. There’s a bigger main bar, and a bigger kids area, more toilets; all the things you’d naturally expect to see with an increase in attendance.

According to Bromfield, 35 per cent of ticket sales have come in the last month, a fact he describes as a “horrible barrel to be staring down” and very stressful.”

So did Lazydays break-even in 2024?

StandOut asks. “We made an investment,” Bromfield says, smiling. He’s still smiling when he says he’s made more of an investment in 2025, too. Yet, he does believe Lazydays will break-even in 2026. That’s because the team are acknowledging their mistakes and are prepared to learn and adapt to make things better. “A lot of investment goes into digital marketing but we’ve realised we need to

stagger the ad budget,” he adds. “What we’ve been trying to do this year is pull those ticket sales earlier, which means you’re going against the tide when you’re trying to change consumer buying habits.”

FINDING THE SWEET SPOT

Roughly 25 per cent of the Lazydays audience comes from outside of an SS (Southend-onSea) postcode. The team is looking to grow that figure but a lack of camping does make that a challenge, Bromfield says. That said, when we chat, Bromfield already knows that attendance for Lazydays 2025 is up 150 per cent and the team has sold 9,000 tickets.

What’s more, there’s serious demand for Lazydays’ newly-introduced VIP area.

“We surveyed our guests last year and they asked for a VIP area. We’ve gone for a test and learn approach to keep it small and manageable and make sure people have a really great experience but if it works well, we’ll bring it back and improve it for 2026.”

So, what plans do Bromfield, Waters, and Williamson have for the future? “It’s about finding that sweet spot,” Bromfield explains.

“There’s music, beer, and great food and if you had this Venn diagram, the sweet spot would be in the middle.”

Bromfield is determined to get Lazydays right and ensure the product is right for the Southend-on-Sea market. However, he does not want Lazydays to stray too far from its origins, otherwise it won’t be the event that he and his friends set out to create.

Bromfield concludes: “We have started planning 2026 already, which will probably look and feel similar to 2025 and beyond that, I think that’s something that we’re probably still nailing.”

Lazydays Festival 2026 will take place from July 24-26.

Peequal, a women’s event urinal company, collaborated with NPK Recovery to collect 1,000 litres of urine from the urinals at the marathon’s yellow start line. This was processed by NPK Recovery into fertiliser for use in field trials, to continue research and development into the fertiliser formulation and evaluate its performance on fertiliser wheat crops*.

Kate Chapman, head of sustainability at London Marathon Events (LME), explained that it is part of LME’s environmental strategy to try and find an “onward use” for all waste that is generated at its events. For instance, composting, reusing, upcycling, and much more, so the fact the urine can be used for something so positive is a huge win, especially as it is not being taken to be treated as sewage.

“Why not be as circular as you can?” said Amber Probyn, co-founder of Peequal. “We’re always looking to be innovative in any way we can so using a by-product for good is right up our streets. I think that also really strikes a chord with organisers who want to be as sustainable as possible, more innovative and open minded to changing things up, especially if there are demands on how much waste you take off site.”

footprint. In August, the company worked with Boomtown to turn pee into plant food, too, taking urine from the festival’s crew areas, but this was not the only change to the festival’s sanitation set-up.

ZooLoos worked with VIP Nation’s AJ Connel and provided more VIP toilets to Boomtown’s Camp Orchid, which had additional creature comforts. “Boomtown is probably one of the biggest shower and loo installs we’ve ever done,” said Dan Steel, managing director of Zoo Events Group.

“There are about 270 loos and 70 showers between Camp Orchid and the Skylark campsites, which service around 17,000 people – if I was to hazard a guess.

“Plus, this year, we’ve worked with Ryan [Wilmott] at GMC Events to provide showers to Y Not Festival’s Paradise Peaks VIP camping area.”

BETTER LOOS = BETTER EXPERIENCE

Steel said there’s huge demand, almost a trend, to place a stretch tent over a run of shower units, giving guests a little more privacy to get changed, dressed, and festiready when they step out of the shower trailer.

It’s a small measure but one that improves the experience for the end user.

Richard Judge, head of events at Site Equip, which provides toilets and hand wash facilities to Badminton Horse Trials, Royal Ascot, and Jalsa Salana, concurred.

He said that there is an increased demand

INVESTMENT

ZooLoos, Peequal, Site Equip, and PTL – which has been appointed as sanitation and wastewater partner at Lapland Manchester – are all investing in new equipment for 2026 and beyond, upgrading units and building more stock to meet demand. For example, ZooLoos is investing heavily in modular back units and urinal cabins to help with throughput, PTL is building more accessible toilets and vacuum units, Site Equip has built larger hand wash stations for faith events where handwashing is a ritual practice, and Peequal is in the midst of a £500,000 investment drive.

Probyn explained: “The money will be used to manufacture a new product, well, a new version of Peequal, that will come out in

ZOOLOOS 2026. It’s something that we’ve been working on for a while. We spoke to event organisers about it at Event Buyers Live last year to get their thoughts and if it was something they’d be interested in. And, there’s huge demand for the new product, which is still a women’s urinal but it’s made for greater, more efficient logistics.

“We’ll be able to fit 56 on one lorry compared to now, where we can fit 48. Hazel [co-founder] and I have done everything from driving the forklifts to manually putting the equipment together to cleaning, so we know where those little friction points are.”

Probyn continued: “We have redesigned Peequal. So, for example, if you are carrying it on a forklift, it’s now got closed fork pockets so if you’re going over a bumpy surface, they won’t fall off.

“Inside the tank, there’s a sump point, which means all urine will be extracted really easily. It’s all about the unattractive, unsexy bit of the product but what it means is that when we work with organisers and external toilet providers, they will really benefit from these logistics, and ultimately, that means we can help more women, go to the toilet a lot faster.”

PEEQUAL PARTNERSHIP APPROACH

PTL worked closely with LS Events this year at BST Hyde Park to change the internal layout of the toilets within the event’s Diamond VIP experience. The number of toilets inside the structure were increased, the configuration was tweaked, and there were more vanity units. This helped increase the flow of guests using the facilities.

However, to ensure the new layout worked – and that water pressure did not drop – a collaborative approach was needed.

Ben Cruise, managing director of PTL, which also provided toilets to RHS’ new show at Wentworth Woodhouse, explained: “We worked in partnership with MTD to add another pump to make sure the water extended all the way to the end of the run of vanity units. It meant everybody could wash their hands thoroughly and had the same water pressure throughout.

“The challenges that would normally come with increasing numbers were completely negated by LS Events’ Suzanne [Johnson] speaking to us and to MTD to ensure all the services were there – power and water – to make sure that everything worked. We put an extra pump and tank in and it worked really well and the throughput was much greater.”
