EDITOR’S LETTER
NOVEMBER 2023 a fantastic old adage that says that Rome wasn’t built in a day and now having T here’s recently visited the vast Italian city, I can attest that it clearly takes time to create great
things, including the Ryder Cup. Personally, I have always wanted to see the Trevi Fountain so I could have cried when the statuesque water feature came into view, appearing in a flash at the end of a bustling street. But I wasn’t in Rome to join the tourist trail. I was very lucky to visit the Ryder Cup in 2014 (Gleneagles) and 2018 (Paris), the one big sporting event that attracts the attention of those who would never even dream of picking up a golf club. Me included. I can assure you the atmosphere is electric and previous experiences have led me to put the Ryder Cup up there in my top three event experiences of all time. Whilst hospitality is amazing, this year, StandOut flew to Rome to see the last bits of the event build come together. Because that’s what we’re all about… we like to focus on the realities and challenges of life on-site and discover how organisers and operations teams are developing their events. This year’s Ryder Cup was full of challenges. Crew had to build event overlay in record-high temperatures, and Italy’s event supply chain is, shall we say, not geared up for large-scale outdoor events. It highlights two things – one, extreme weather events are here to stay so we must prepare for climate change to impact operations, build and de-rig schedules, and two, the UK events industry really is world-class. Forgive me for being giddy with Ryder Cup fever this month. It really is a dream event. However, that doesn’t mean I haven’t equally loved being on-site with the teams behind Blenheim Palace International Horse Trials, Southampton International Boat Show, and Hull Fair, the largest travelling fair in Europe. Each has an international reputation, so make a brew and enjoy this issue. It’s packed full of best practice learning and amazing event sustainability examples, and event security professionals discuss the challenges of the summer and what to look out for in 2024. Plus, we preview Event Buyers Live too. Turn to page 26 to find out which fabulous event organisers and suppliers are attending and about our fantastic content programme featuring the most wonderfully warm and knowledgeable event professionals you’ll ever meet. Happy reading, Caroline

MERCH STORE than 3.7 million viewers tuned in to M ore Sky Sports to watch Luke Donald lead
Team Europe to victory at Marco Simone Golf and Country Club, Rome. Over three days of glorious competition, Europe defeated the United States 16½-11½ to regain the Ryder Cup and ensure their unbeaten run on home soil continued. The 44th Ryder Cup was packed with sporting action, but it was the hard work of a massive team of event professionals – who spent months away from home – that delivered one of the hottest tickets in the sporting calendar. Just two weeks prior to Europe’s big win, StandOut flew out to see the last few elements of the mammoth event build come together. It was 11am when Paul Dunstan, operations director at the Ryder Cup, greeted StandOut in the Ryder Cup’s operational heart, a muchwelcome and solar-powered, air-conditioned office on the edge of the course. He had just finished leading a contractors’ meeting. “We’re on track,” he said calmly. “We had a structural sign-off and handover on September 8. Fit-out is 95 per cent done. Last week, we had 32 people from the authorities come along and scrutinise everything. There’s just some touching up now.”

HEAT AND VISAS
Italy is not a massive golfing nation. Paddle tennis is more popular, and opera too. But Dunstan and the European Tour hope that bringing an enormous and respected brand like the Ryder Cup to Rome will grow the popularity of the sport. It’s just one of a multitude of things that the team has considered, alongside the availability of vast amounts of event infrastructure, sustainability, and weather. From 10 days of lightning and a wet June – that resulted in a flooded compound – to scorching temperatures and one of the biggest heat waves on record, the site crew have seen it all. But the reality is that weather has led all contractors to rethink and rework their build schedules. “It’s been tough for everyone out there,” Dunstan added. “There’s no denying it. All the contractors have adapted how they worked. They came in at 5.30 in the morning then slowed down during the hottest part of the day and worked a little bit later in the evening. “Early June was quite wet. Our compound was underwater for quite some time, which wasn’t overly detrimental. We could cope with it, but it just slowed things down. Then we had lightning and had to close the site for ten days
over a six-week period. So that’s two weeks. We had to catch up, but everyone’s rallied, and we’re in a good place.” Tom Critchley, client director at Arena Group (Structures), was Arena’s project manager on-site. Critchley concurred with Dunstan, describing the heat as oppressive, and outlined other challenges. He said: “Being more than 1,000 miles from our base was the first challenge. Ensuring the right kit arrived at the right time was a huge logistical challenge. Italy shuts down for a lot of August which proved a challenge when trying to source local materials. The crew should be given a medal for keeping the build on schedule. The heat and dust caused a lot of plant to break down. Italian regulations are complex and stringent – events fall under the same scope as their construction industry so certain things had to be done differently. We also had several experienced staff who had to leave the country before getting to the event as it was impossible to obtain long-term working visas for UK nationals.” Scott Jameson, CEO of GL events UK, agreed and explained further: “I think the biggest lesson and one which was faced by all the major suppliers working in Rome for the Ryder Cup was the new landscape of post-

RYDER CUP
FIRST TEE GRANDSTAND Brexit immigration and local labour laws. The health and safety laws in Italy were challenging to say the least, but the biggest challenge was around getting visas for the right crew to work. “Obviously, in an ideal world, all labour is pre-booked and when this is possible, it is more straightforward to get all the paperwork in place in advance, but when schedules change or we need to be flexible for other reasons, the new immigration laws just don’t allow this flexibility.“
TWO PAIRS OF GLOVES
Dunstan explained that everyone worked hard to deliver the vast amounts of temporary infrastructure that were required [more than 1,400 truck movements] to deliver an event of this scope and scale. The course is a brand new course built specially for the Ryder Cup. However, you can never really get a feel for an event site from CAD plans and renders. Yet, this was the reality for Dunstan and his team. Flexibility and adaptability were paramount, as the site came together. For example, a six-metre-wide main entry road for contractors was not completed until May 2023 so suppliers had to “work on the fly” and transfer equipment onto smaller trucks and move it around the site.

PAUL DUNSTAN www.freemanseventpartners.co.uk n 17
RYDER CUP “This was then all compounded by the heatwave that southern Europe experienced during the busiest part of the build. Our team coped admirably. One fact that stands out is that the team had to wear two pairs of gloves when handling the scaffold as it was so hot!” Dunstan continued: “That’s live events. That’s why we work with certain suppliers that we’ve worked with over the years. We have that relationship with them that means we can ask them some pretty ridiculous things and they flex and accommodate it because they just want to get the job done.”
LOGISTICS
JAY NEIL GL events UK supplied 26,035 square metres of structures, including the main hospitality structures, village, and media structures, Arena provided 22,000 square metres of structures, including three large hospitality structures and the 40m x 100m Ryder Cup merch store, and Star Live installed 14,000 grandstand seats, including a complex and “intimidating” 1st tee grandstand and The Vista, a new hospitality offer that overlooked the 12th green and 13th hole.
LUCA LUBRANI Grahame Muir, CEO of Star Live, commented: “Working on a golf course, by its very nature, is not without its challenges. It is fair to say that working on a golf course in Italy presented even more challenges! From truck movements on the golf course to visas, medicals, and ensuring compliance with rules and regulations specific to Italy, the on-site team in Italy and the operational team back at our Bedford base were kept busy navigating these various challenges!
Sunbelt Rentals, MTD, Collective Media, Detail, Global Infusion Group, Advanced Satellite Solutions, Tractor Hire, Triton Special Projects, CSM Live, Aggreko, and Freemans Event Partners – which served 223,000 meals and 470,000 drinks – were just some of the other contractors on site. Dunstan found the Italian supply chain “tough”. It hosts smaller events and concerts in stadiums but is not renowned for putting on greenfield events. As a result, many contracts have had to be split, which has meant multiple conversations with multiple suppliers, and a lot of event equipment and infrastructure has been brought in from the UK. For example, Star Live’s infrastructure had to be delivered on 72 HGV trucks. The same number of trucks will transport the equipment off site with approximately 50 per cent going

RYDER CUP to various European locations ready to be deployed again and the remaining 50 per cent delivered back to the UK. Furthermore, Freemans Event Partners – which deployed 1,200 people on-site – was tasked with delivering a world-class and authentic Italian food and beverage experience in public areas such as the fan village, in partnership with the Ryder Cup and the Italian Golf Federation. As the event took place in Europe, the logistical plan to bring Freemans Event Partners’ equipment to Italy necessitated a dedicated team to put together a transport plan for teams and for the kit on site.
CONTRACTS
Essential event equipment has gone straight to Rome from other large events such as Cheltenham Festival and the Grand National. This factor has pushed back the Ryder Cup build despite the team’s best efforts to build earlier and earlier. That’s hard when every structure has a value, and every day has a value. Especially as costings for this event were calculated in 2018, before COVID and the Ukraine invasion. “We need to be a bit more strategic with our contracts,” Dunstan continued, who acknowledged that the Ryder Cup [in Europe] only takes place once every four years and other events take precedence. “A lot of times, we’re using suppliers for the first time on a Ryder Cup, which is great because we can
TEAM FREEMANS EVENT PARTNERS open doors for them. It’s big enough to have multiple suppliers but we also run 40 to 50 events across the calendar year through our DP World Tour. We have a massive opportunity to test and use suppliers before they come to the biggest event that we run but we could do that a little bit more. “2024 will be a big year for us, contractually,” Dunstan commented, as he now looks towards 2027 when the event will
take place at Adare Manor, Ireland. “We will look to run as many tenders as we can, to have as many people appointed as we possibly can in key areas, and then start working with them in partnership. If we can have everyone aware of what they need to do beforehand, they can plan it into their schedules three years out and it’s not an issue. Whereas if we’re telling people something, six months before they come on-site, it’s a bit of a problem.”

TEAM EUROPE CELEBRATE TEAM WORK
Delivering such a prestigious event took the skill and hard work of many people. Dunstan was supported on-site by Gregor Lumsden, Calum Johnson, Chris Trainer, and Damian Turner. MTD’s Caroline Verhoeven and Tomas Moreno project managed the temporary water and wastewater infrastructure, Arena’s Critchley project directed all of its overlay alongside sporting event consultant Luca Lubrani, and Freemans Event Partners’ Lee Davies, operations director, project managed the delivery and deployment of high-tech payment systems across the entire event as well as bespoke brand activations. Jay Neil, operations director, international, was Star Live’s on-site project manager, assisted by Rob Smith, group operations director, with Muir, a veteran of seven Ryder Cups, overseeing the project. Nicole Room, account manager at GL events UK, project managed all elements of GL’s build alongside site manager Barry Anderson, with Daniel Page supervising the installation of GL’s new QWAD structure (see page 22) – a modular system featuring heavy deck flooring that is built on the ground and then craned into place. “QWAD is an impressive structure,” Dunstan continued. “It’s a borderline semi-permanent structure. You can’t call it a tent; it just feels different. It’s the first time GL has built it to this scale. It’s enormous and I think there’s a
20 n www.freemanseventpartners.co.uk
lot they can do with it. They’ve learned a lot about this structure having built it on this scale and for future events, they have said there is so much more they can do with it. “It’s modular. They can do potentially four floors, and awnings off the front of it. You’ll see a golf course doesn’t have much floor space. They’re always very tight but we can always go up so four floors would be incredible,” he added.
TEAM STRUCTURE
Innovation is key to the Ryder Cup team. The golf tournament is always looking for new and interesting solutions that feel different and offer spectators a greater customer experience. However, whilst the team is always improving the aesthetics of the event, it’s just as important to develop the back-of-house processes and procedures. This year’s Ryder Cup benefitted from a revised team structure. Dunstan compartmentalised the roles. For example, operations managers were given a list of responsibilities that covered security, plumbing, and signage. They are not natural bedfellows, but the work was divided into what is deemed more of a “service issue” such as Wi-Fi, plumbing, and electrics, and what is infrastructure – grandstands, tents, and cabins. Yet, a change to team structure and roles was not the only tweak.
The event’s site induction process changed too. The Ryder Cup replaced its old site induction room with an online site induction process. Dunstan continued further: “It’s not quite bulletproof at the moment, but it’s a good step forward. We’ve learned that the latter stages are where we’ve struggled a little bit, where we’ve got lots of sub-contractors, and we’re in a transition phase from construction to delivery. There are people on site who are sponsors for example, who come down to look at their chalets. You don’t want to push them through formal health and safety training, but they need to have enough awareness that they are entering a construction site.”
PLANNING
Thorough planning and attention to detail during the build phase have been paramount. For instance, MTD – which deployed water refill stations and carried out Validated Water Tests that enabled the precise sampling of the potable water tanker trucks used for replenishing buffers overnight – installed the main temporary pipework infrastructure on site in early August. However, because it connects all facilities delivered by other suppliers – toilet cabins, kitchens, hospitality areas – it is also one of the last suppliers in the supply chain. Therefore, it was essential that the planning was done correctly and kept up to date every day.

Industry leading structures creating temporary space for any need.
FORM MEETS FUNCTION
Our expert team are leaders in innovation and work closely with our customers to design unique spaces capable of handling almost any challenge.
arenagroup.com
RYDER CUP Jameson concurred. Attention to detail was essential. He commented: “Within the GL events project, the work of all suppliers was interlinked. Triton Project Solutions was involved throughout and designed the substructure. CSM Live dressed the outside. Power and air con were installed in tandem with the work of other suppliers on our team. If we couldn’t work alongside other suppliers, we would never be able to complete major projects, especially where we are the principal contractor. “On a project of this scale, there is always a degree of collaboration with our ‘competitors’ on-site such as the sharing of plant and machinery. We are all there to help each other get the project over the line and not see anyone fail because this isn’t in the best interests of the client.”
have difficult conversations with people at times, hopefully, they take it the right way.” But what has he learned about this year’s event that was delayed thanks to COVID? “I’ve learned small things,” he said. “I’d like the barriers to be delivered earlier, and I want to continue looking at processes and team structure and security. We wouldn’t be doing the job right if we didn’t look at things and try and improve them every time. I’ve got a big list at the back of my notebook but right now, I am looking to Friday morning and the first tee.
“When you tell people that the Ryder Cup is a golf event between America and Europe, it doesn’t do it justice,” Dunstan concluded. “It’s much more tribal than that. When you explain to people that you will have thousands of people that will wake up at 3am just to get in the queue for the first bus or first train to then get here and join the queue to get through ticketing and go through security, and then they’ll literally sprint to the first tee to get a prime spot in the grandstand, I don’t know too many events where people do that.”
FAMILY
Dunstan described himself as “processdriven”. He is calm and ever the professional. He loves his job; he’s been doing it for 17 years and acknowledged that business people and sports fans would pay thousands to have access to the event and to experience the things he gets to see. He commented: “It’s long hours, it’s stressful and you are away from home a lot. But I don’t know anyone who would do that if they didn’t enjoy it. The events world is a family because we’re all in it together and as much as you can

RYDER CUP HOSPITALITY STRUCTURE DESTROYED BY FIRE
StandOut visited Marco Simone Golf and Country Club during the build phase of the Ryder Cup to talk with event professionals responsible for delivering the renowned and respected golfing tournament. Just days after Team Europe celebrated their win, a large fire broke out within one of the hospitality structures on-site during the derig process. The structure was owned by GL events UK. Unfortunately, it was one of GL events’ new three-storey QWAD structures, located on
22 n www.freemanseventpartners.co.uk
the 18th green and near the first fairway, that caught fire. Local fire crews were called to the scenes and the blaze was quickly brought under control. Yet despite all efforts, the structure was completely lost to the fire. An investigation is now underway to determine how the fire started and because of ongoing investigations, the Ryder Cup team and GL events UK are unable to provide any detailed commentary on this incident. However, Scott Jameson, CEO of GL events UK, has issued the following statement: “We are understandably
devastated to have lost this structure but are thankful that the fire did not result in any casualties. The GL Group awaits the results of the investigation which will provide an understanding of the cause of the fire.” It would be remiss to not acknowledge the fire, but StandOut did not wish the fire to dominate this article or overshadow the hard work of all those involved to deliver what was such a massively successful event. Thankfully, no one was injured, and so we wish everyone at the Ryder Cup and GL events UK our support. The above could happen to anyone.

HOPKINS MACHINERY IN ACTION
Driving the business forward Buggy hire is essential if you want to get around your event site in the quickest way possible. Here, Hopkins Machinery talks about buggy hire and its long-standing relationship with the European Tour Machinery – also known as H opkins Tractor Hire – has more than 20 years
of experience in buggy hire, supplying event organisers with tractors, buggies, and telehandlers for a wide range of live events and festivals. Taking on the Club Car franchise in 2003 boosted the company’s growth and since then, Hopkins Machinery’s hire business has expanded extensively. For more than 16 years, the family-owned business – with depots in Gloucestershire, the South West, South Wales, and Mid Wales – has worked with the European Tour as its preferred Club Car dealer and works with the organiser on its major event portfolio, including the Ryder Cup. Evan Hopkins, director of Hopkins Machinery, said: “Having the Ryder Cup at the Celtic Manor in 2010 was great, it allowed us to expand our depot and our fleet. We supplied and managed more than 350 buggies for the event, and it was a great experience. Since then we have worked on three more Ryder Cups – Gleneagles, Scotland, in 2014, Le Golf National, Paris, in 2018 and the most recent Ryder Cup at Marco Simone Golf and Country Club, Rome.” Over the past number of years, Hopkins Machinery has worked closely with the European Tour and other organisations including the R&A, IMG and now LIV Golf. Long-term relationships and repeat business have enabled Hopkins Machinery to invest
24 n www.hopkinsmachinery.co.uk
more in logistics and haulage assets, making the task of moving more than 700 buggies across Europe each year a lot easier. Hopkins continued further: “We have nine HGVs that feature double-decked trailers each with a carrying capacity of up to 22 Club Car buggies. “When you have an average of 22 tournaments a year, it helps to have an inhouse fleet of trailers, keeping transport costs and movements under our control rather than relying on external providers.” For the 2023 Ryder Cup, Hopkins was asked by Club Car and the European Tour to be involved in the buggy consultation from the start. The European Tour consulted with Hopkins on the specifications and list of Club Car golf carts and utility vehicles that were required for their operations, contractors, and sponsors. Club Car supplied 242 new cars to the event. Hopkins Machinery oversaw the charging facilities and dedicated buggy compounds and provided help allocating the buggies. The company also supplied two truckloads of buggies to help the Ryder Cup team with its operations. Despite there being more than 300 buggies on-site for the operations team to stage the event, TV broadcasters such as Sky, NBC, Golf Channel, and the World Feed supplied by European Tour Productions still required buggies. Hopkins Machinery supplied a further 224 buggies that were
required by the broadcast teams. This equated to 11 truckloads of buggies that needed to be delivered to Italy from the UK. The first load was delivered in March and the last will be collected in November. A team of nine Hopkins Machinery staff helped to manage and support the huge buggy hire operation on site in Rome. They worked in shifts to ensure the smooth operation of all the buggies from allocating them to users to charging and repairing the odd puncture and issue. Hopkins concluded: “The Ryder Cup is a brilliant event to be involved in and we enjoy every moment. It is always great to work on an event with customers that are easy and a pleasure to work with and we are very appreciative to have the support of a supplier such as Club Car.” For more information, call 01633 680754, visit www.hopkinsmachinery.co.uk, or email hire@hopkinsmachinery.co.uk

Getting down to business Event Buyers Live is back and as organisers prepare for their experience, StandOut previews the industry event from some of the most O rganisers respected events, festivals, and
agencies in the UK are preparing to gather at Carden Park, Chester, for three days of productive meetings, engaging content, and unrivalled networking. Following a jam-packed year, dogged by horrendous weather conditions, challenging builds, and budget pressures, events professionals are keen to reconnect at Event Buyers Live (November 13-15) and discuss the realities of life in live events. “Our attendees are poised and ready to discuss their needs for 2024 and beyond,” said Neil Fagg, co-founder of Event Buyers Live (EBL), the leading hosted buyer event for the live events industry. “Event Buyers Live provides organisers with the platform to discuss procurement needs and supply chain requirements in prearranged one-on-one meetings. “This year, we have noticed that the events industry does seem to be incredibly busy yet again and is almost at pre-COVID levels. But we appreciate that these last few busy months have been against a backdrop of tight budgets, high inflation, stormy weather and
26 n www.theeventtechnologygroup.co.uk
torrential rain. All these elements impact our ability to deliver events, so the fact that Event Buyers Live can provide event professionals with a platform to discuss infrastructure, procurement, and best practices is exactly what event professionals need.” Fagg continued: “We’re a little earlier in the year than Event Buyers Live 2022 to enable our attendees to make the most of the preChristmas procurement window. We know organisers are keen to nail down their supply chain, sort contracts, and network because 2024 is going to be another crazy one.”
PACKED PROGRAMME
The 2023 edition of Event Buyers Live will be the event’s ninth outing and will welcome only 100 of the live event industry’s most influential organisers and 47 respected event suppliers/ venues for pre-qualified face-to-face meetings. Event Buyers Live – headline sponsored by The Event Technology Group – will be the place to focus, plan, and look forward to 2024 in an inclusive environment that is not only relaxed but conducive to business. Last year, the event’s organising team – the same team behind StandOut magazine
– introduced workshops that flanked EBL’s renowned roundtable discussions. The workshops were well received and return to the bulging content programme. This year’s roundtable discussions will be hosted by Iain Game, festival director of Wychwood Festival, Andrew Lansley, innovation manager at Cheltenham Festivals, Natasha Mortimer, managing and creative director of Imagineerium, and Mark Bustard, managing director of The nvisible Agency. Game, Lansley, Mortimer, and Bustard will all host dedicated roundtable sessions on Understanding your Audience, Neurodivergence and Communications, Immersive Experiences, and Working with Multi-Disciplinary Teams respectively. Joining them are Simon Hough, head of commercial activities and hospitality at Royal Air Force Charitable Trust Enterprises, Pauline Bourdon, director of Soliphilia, John Rostron, CEO of the Association of Independent Festivals (AIF) and Dawn Grant, director of Kaleidoscope Event Services, who will facilitate roundtable discussions on Sponsorship Activations, Sustainability, Festival Operations, and Safeguarding.

Caroline Clift, editor of StandOut magazine and Event Buyers Live’s content manager, said: “Roundtable discussions have featured in our content programme since the first EBL and they were so popular, that they have remained a constant presence, growing in popularity as people appreciate their value. “It’s not often that people get to sit around a table, with their peers and a brew, and have an open discussion about the challenges they are facing, and then leave an hour later with ideas, their brain racing, and knowing more than they did when they walked in the room.”
a supplier can often be only the start of a tense process of negotiation. When clients and suppliers are able to work together to value engineer a cost-effective solution for the delivery of event infrastructure, without compromising on the essentials of the event, you know you’ve found a relationship worth maintaining. And when a supplier can bring innovation and imagination to the table, using their experience and flexibility to make a client’s life easier, you’ve really hit the supply chain jackpot! “GL events talk a lot about client collaboration, so I am looking forward to putting my money where my mouth is and taking this conversation to a wider audience at Event Buyers Live this year.”
developed,” commented Clift. “We have roundtable discussions, workshops, and Q&A sessions and an interactive session from Classical Collaborations, a sonic branding workshop – delivered by Ryan Breen and Richard Taylor – that will ask guests to help compose a sound that epitomises the amazing live events industry. “The education programme is designed to be inclusive so we’re proud of the programme we’ve put together. Everyone learns and absorbs information in different ways so we hope that by delivering a mix of formats, our audience will leave feeling they have learned from the best, had fun, and can take home information that they can share with their teams.” She added: “Furthermore, last year, we introduced NetWalks, which combine networking and walking. They are designed to give guests a break from the meeting room,

Protect Duty will also take centre stage this year in a dedicated workshop. Led by Caroline Harding, chief executive officer of Symphotech, the session will also feature the expertise of Garry Jones, director of Storm 4 Events and course director for the UK Police Counter Terrorism Security Coordinator training, Graeme Timms, head of health and safety at Alexandra Palace and chair of the Safety Advisors Group for Entertainment, and Lloyd Major, director of Halo Solutions. Harding said: “There has been a lot of discussion around counter terrorism this year. With so much speculation and uncertainty around new legislation, the details of which are yet to be confirmed, I look forward to joining Garry, Graeme, and Lloyd, who bring a huge amount of experience and knowledge, to share with delegates. We hope that we advise guests on how to prepare their events and discuss how best to mitigate and reduce risks in this area with practical steps they can take.” But that’s not all. Event Buyers Live will feature a panel session – delivered in partnership with GL events UK – that will look at how organisers and suppliers can work together to “value engineer an event”. Sam Herd, head of event planning and delivery at the Lawn Tennis Association (LTA), event management specialist Jack Saward, owner of Saward Marketing and Events, and David Tunnicliffe, commercial director of GL events UK, will take part. Tunnicliffe commented: “With increases in commodity costs and event budgets tighter than ever, winning a contract or appointing

We appreciate that not everyone is a natural networker so we hope that different surroundings and being in nature will nurture some great conversations.”
INCLUSIVE
EventWell is working with Event Buyers Live to provide a supervised and fully-functioning mental wellness hub and quiet room and EBL has partnered with Mental Health UK, ecolibrium, and Bridge Creative, a social enterprise that supports adults with learning disabilities and autism by removing barriers to employment. Bridge Creative – led by Ben Tinkler – is providing crew members to Event Buyers Live 2023, which is building on the event’s promises to improve and promote diversity, equality, and inclusion (DEI) within its own event and the wider live events industry. Fagg explained: “Like any organiser, we want to build on our achievements and make improvements – even the smallest – to improve the experience of everyone who touches our event.

An event of this nature has never been more needed. The networking will be genuine, the pre-arranged meetings will be authentic, the content sessions will be fantastic, and this year, there are a few surprises too.”

PROMOTIONAL FEATURE A MOBILE MAST FROM ROADPHONE NRB
Getting radios right
Roadphone NRB, the event two-way radio specialist, explains why there’s so much more to radios than the device you hold in your hand, and provides advice on all you need to know when awarding your next radio contract the vital role two-way radios earpieces you need to think about. Make W eplayall know in the safe and successful delivery sure that they can supply you with enough
of events. Whether it’s managing a tight build and break schedule, helping security or medical teams to deal with an incident, keeping teams on the ground in touch with event control or managing an important set production piece, radios are the tool that keeps everyone connected. But when you are looking for event radios, do you really know the most appropriate and relevant questions to ask your radio hire supplier? Read on and discover best practice advice and top tips.
DOES YOUR CHOSEN SUPPLIER HAVE ENOUGH STOCK?
Let’s start with the basics – when you’re looking to appoint a radio supplier, it’s worth checking if they have the stock to supply. Do they own the stock outright, or are they relying on cross-hiring kit from an unknown third party? And it’s not just radios and
30 n www.radiohire.com
repeaters, which give you coverage across your site. The summer of 2023 has seen us take lots of last-minute calls from panicked organisers who had been let down by their previous supplier not having enough stock. Thankfully, we were able to assist them, but make sure you don’t fall into the same trap in 2024!
WILL YOU BE PROVIDED WITH QUALITY EARPIECES AND ACCESSORIES?
Event sites are loud, busy places and you need an earpiece so that you can hear your radio at all times. At Roadphone NRB, we’ve invested in more than 18,000 quality, manufacturer-approved audio accessories – covert and over-ear earpieces, heavyweight pit cans, and remote speaker microphones amongst others. By purchasing high-quality accessories which are CE and UKCAapproved, we can ensure that your earpieces
will stand the test of time and keep working when you need to rely on them the most. We know that many of our competitors give earpieces away for free. They’ve likely purchased cheap, non-approved accessories, some of which might only work for a few hours before they break. It’s also worth asking your prospective supplier what their procedure is for cleaning and testing your earpieces before dispatch. Our ISO9001-audited procedures ensure that every radio and accessory is rigorously cleaned, tested, and sealed before dispatch, but we know that many suppliers don’t work to these standards.
WILL YOU GET A DEDICATED ACCOUNT MANAGER WITH EXPERIENCE WORKING ON SIMILAR EVENTS? There’s so much more to successful communications than just radios and earpieces. This is why it’s important that you are assigned a dedicated and experienced
PROMOTIONAL FEATURE RADIOS ALLOW TEAMS TO COMMUNICATE
account manager, who understands your requirements. They’ll need to help you every step of the way – from calculating the correct ratio of radios to earpieces, advising on how many repeaters are needed, working out the best way to licence your radios and supporting you in designing your channel plan and fleet map. Some suppliers will just handle your enquiry through a call centre,
but it’s really important to make sure that you can get the specialist support you need.
HOW ABOUT RADIO COVERAGE?
There’s nothing more frustrating than broken, crackly messages caused by poor coverage. Smaller sites or venues might be able to operate in “back-to-back” mode – that is, without any repeaters. However, most larger venues will need repeaters – maybe multiple repeaters, maybe across multiple locations. This can be complex, and to get this right, your supplier will need to carry out a site survey, carry out tests, and use plotting software. They will also need infrastructure such as repeaters, combiners, and mobile tower masts, and might also need satellite or microwave links to provide a resilient multisite solution. All of this takes time, planning and technical know-how.
HOW WILL YOUR FREQUENCIES BE LICENSED?
Correctly licensing your radio frequencies (RF) helps you avoid interference from other RF users. Your supplier will need to correctly advise you whether it’s best to use “standard hire” frequencies, which are shared with many users, or buy site-specific frequencies licensed through OFCOM PMSE.
WILL YOUR SUPPLIER WORK WITH YOU TO REDUCE LOST EQUIPMENT?
We understand that big bills for lost equipment are frustrating. It’s important that
BAD PRACTICE
your supplier can work with you to reduce the amount of equipment you lose. For example, our bespoke asset tracking system, Checkpoint Charlie®, enables customers to book equipment out to end users on-site using individual serial numbers and take a photo of the user to create accountability. We can also produce full audit trails of the booking in and out process at our warehouse, ensuring that everything on hire is fully traceable. These steps all help to reduce any unexpected bills at the end of your hire.
WHAT IF THINGS GO WRONG, WILL YOU GET SUPPORT?
As with any piece of technology, sometimes things can go wrong. This is when you will need a little extra support. It’s worth checking that your supplier can offer 24/7 telephone support and you may also want to explore having an engineer on-site throughout your event for added peace of mind. Roadphone NRB is a two-way radio specialist, with more than 30 years’ experience providing communications to the events industry across Europe. From football tournaments, tennis, and horse racing to conferences, marathons, and festivals. As trusted Motorola Solutions platinum partners, you can be confident that your communications are in safe hands. Are you interested in improving radio communications at your next event? BLENHEIM PALACE INTERNATIONAL HORSE TRIALS
BLENHEIM PALACE INTERNATIONAL HORSE TRIALS
Stable future Stable Events has taken over the running, organisation, delivery, and profitability of the Blenheim Palace International Horse Trials. Here, Stable Events’ James Gower and Catherine Bishop chat… than 28,000 visitors attended four at the palace for a large countryside M ore days of competition at the Blenheim show [Countryfile Live], so there was no
Palace International Horse Trials (BPIHT) when it took place at the Oxfordshire estate in September. In February, Stable Events was revealed as the new organiser of the equestrian event, taking over from The Jockey Club. For more than 30 years, BPIHT has been a flagship event for the palace and now it’s hoped that Stable Events will bring stability to the much-loved feature in the equestrian calendar, continuing to attract the crowds and the world’s best riders. “I’ve been talking to the palace about all sorts of things, including The Game Fair, since maybe 2016,” explained James Gower, managing director of Stable Events, which owns and runs The Game Fair, The GWCT Welsh Game Fair, and the National Shooting Show, amongst others. “At the time, Tim Etchells had a tenancy
Sponsored by Shield Marquee
opportunity for The Game Fair to move there but nevertheless, we often spoke and kept in touch. “I’d been talking to the palace and then around 2020, they said the trials were no longer going to be organised by British Eventing and would we [Stable Events] be interested. At that time, there was a process, and The Jockey Club won the contract to run the trials. The Jockey Club ran the 2021 and 2022 events and following the 2022 event, they stepped aside. The palace then approached us again and asked if we would be interested in running the event and here, we are now.” Gower is talking with StandOut just days before the show opens. The sun is shining, and the finishing touches are being applied. The site is a hive of activity as traders start to come on-site and fill their stands with
pet paraphernalia, gifts, wellington boots, country fashions, food, and more. “It’s a very interesting model,” added Gower. “Obviously, the Blenheim Palace International Horse Trials have to take place at Blenheim Palace but the business of trials, the corporate structure of the trials, the risk, the profit and loss, and the reward, is now part of the Stable Events portfolio.”
CROSSOVER
The Game Fair last took place at Blenheim Palace in 2014 and in August, it was revealed that the countryside event would move back to the Blenheim estate in 2024. With a network of contractors that Stable Events loves to draw upon, and a database full of traders and concessions, how will Gower and his team define and differentiate the two different brands – which have shared passions and interests – so that they are not the same?
www.shieldmfg.co.uk n 33
BLENHEIM PALACE INTERNATIONAL HORSE TRIALS
VISITORS ENJOY THE SHOW Gower continued: “The Game Fair was here in 2014 and so were the horse trials. They are two very distinctive brands, and they have two distinctive visitors. There is some crossover that’s for sure, but we will maintain that difference and now that we can, we will probably define them even more, so they are their own events in their own right, and that’s a conscious decision. “But at the same time, there are some economies of scale. You know, there’s lots of equipment here, lots of fencing, lots of infrastructure that’s already here, that The Game Fair can now use. That’s one of the advantages. The other thing is we’re getting to learn how the estate works, prior to coming back with The Game Fair in July 2024,” he added.
KNOWLEDGE
Catherine Bishop, Stable Events’ head of operations, concurred. Whilst The Game Fair is vast, BPIHT spans just one-third of The Game Fair site. “It’s really great to get the opportunity to see how the estate works before we come back here with The Game Fair. It’s been great to see how the traffic works and the routes in and out, and the water and the infrastructure.” Rupert Bassadone, founder of Ops People, a standalone event operations, site management and exhibitor management company, is the event’s site manager. Having worked on many editions of BPIHT, Stable Events kept Bassadone – also founder of Event Site Design – in his role

BLENHEIM PALACE INTERNATIONAL HORSE TRIALS and has worked closely with him to deliver the site’s operational elements. Bishop commented: “We’ve worked with Rupert on this event. We have a really good relationship with him – from the CAD side – because Event Site Design does all our floorplans across the business. It was a natural step to use Rupert on this; he has such a wealth of knowledge on this event.”
EVENT AUDIT
“In the past, the economics has been thought about from a sporting point of view,” continued Gower. “Whereas the sensible way of looking at it is from a business event perspective, with the sport by our side.” The “sport” no longer rules the event and efficiencies have been made. Bishop has appointed several new contractors and has introduced an event control. Previously, the event only had an equine event control. The layout has changed slightly too, and an “event audit” has been carried out.
SAFETY CHANGES
Bishop has worked hard to reduce the operational costs of BPIHT and has looked at all previous contracts. She wished to work with contractors she knows and trusts. In the winter, Bishop spent her time looking at every single contractor and quote and scrutinised every single line. There have been quite a few contractor changes and there have been changes to the site induction process too. Bishop has worked with The Event Safety Shop’s Adam Blaxter, senior event safety advisor. Together, they have created a health safety process and database that enables all Stable Events’ contacts – such as repeat exhibitors and regular suppliers – to go
through the process once. It’s been “a big bit of work”, and Stable Events has also introduced a new exhibitor manual – ASP Event’s E-zone – which enables people to upload risk assessments and other important information once also. It’s a move that makes sense because whilst Gower aims to differentiate the two brands, there are some obvious similarities. It’s also hoped that adopting such a joined up and strategic approach will create significant efficiencies.
BONKERS
The contract for BPIHT was signed in February and Stable Events has made several changes to the event, including promotional, marketing, and commercial tweaks. Gower continued. “Some of those commercial things are linked to logistics. For example, the event now has free parking because we changed the car parking model. Before, people would go to the car park and pay for their event ticket and car park ticket. For an event organiser, free parking sounds bonkers because it’s a revenue stream but actually, when you do the maths, it costs more to collect the money, than the money. You need a lot more people and more stewards, and then it impacts the traffic and takes longer to get in so there are commercial, corporate and logistical benefits to it. We have attributed that free parking to a sponsor, making someone else the hero, and the punters love it.” For the first time, BPIHT has also teamed up with the British Horse Society (BHS). BHS members get free tickets to BPIHT. They are encouraged to bring their friends, who have to pay, boosting ticket sales on quieter days. “We have a very, very good box office,” said
Gower, laughing. “It’s something I check in my sleep almost every hour and the signs are really, really good.” But what’s next? Gower has already identified where he could make some show improvements for 2024, including VIP areas. “I’ve been talking with future sponsors and future broadcasters about commercial opportunities and being on the tele,” Gower concluded. “But there’s no better place to have those discussions than here, at the palace, and during the event. “I am having lots of conversations about next year. We will also be applying a bit of innovation and some ideas that will make people go: ‘Well, that’s better, nicer,’ and we’ll know that it was more efficient as well, which is just brilliant.”

THE SHOWMAN’S SHOW REVIEW
NEPTUNUS
Say hello to new ideas StandOut reports on all the products, services, and guidance that launched at The Showman’s Show 2023 of event organisers poured T housands through the doors at Newbury
Showground for The Showman’s Show 2023 [October 18-19] to discover new products, and new ideas, and make new contacts. Despite torrential rain, event professionals braved the horrendous weather conditions to check out products, new on the market, that will transform event and festival sites and deliver efficiencies. ZND, a manufacturer of temporary fence panels, barriers, hoarding and associated products, showcased several new items, including Durablock and Bulwark, both designed to stabilise fence panels in extreme conditions and a newly re-designed ground pin with an accompanying lever that makes retrieval easy. Sharing ZND’s stand was Klipp-It, the inventors of a patent-pending multi-functional and reusable clip designed to clip to heras and crowd barrier. It negates the need for cable ties and is designed to attach banners and branding to fencing and barriers and includes a channel for cable management. But it was not the only product being
38 n www.simpliwifi.agency
demonstrated by Klipp-It. It also showcased an interlocking fence coupler that is opened with a key mechanism. Klipp-It says that both products are fully sustainable and made from recycled polypropylene. Again, it was not the only new product on display, designed with sustainable events in mind. Waste Baling Machines won the Sustainable Event Summit’s Green Supplier and Innovation Award for its new selfcontained baling unit that was trialled at Green Man Festival this year and Power Logistics promoted a flexible solar panel, which can be walked on, pinned to a floor, tied to fences, or installed on the top of a portable building. New to the UK market and lighter to transport, the solar panels are made of fibreglass and are 70 per cent lighter than a standard glass panel but still have the same power output. At The Showman’s Show, the flexible solar panel was connected to a battery and was powering Qdos Event Hire’s new Changing Places unit that was recently added to its fleet. The purpose-built, DDA-compliant accessible unit (6m x 3m) – backed by Promoting A More
Inclusive Society (PAMIS) – has been designed specifically to improve an event’s inclusivity and ensure that everyone has access to highquality welfare facilities on-site.
NEW EQUIPMENT
Bunkabin used The Showman’s Show to market its junior diner welfare facility, which was marketed alongside a new bespoke diner product. The bespoke diner unit – measuring 6.7m x 2.9m – is designed to seat up to 12 people and provides crew with a larger communal space on event sites, and it has the potential to feature a washing machine and tumble drier alongside wraparound seating and a fully-functioning kitchen. Impact Production Services (IPS) showcased a new front-of-house tower. At six metres wide and available at any depth in multiples of two metres, the tower benefits from a wide opening and a curved roof, giving engineers and control teams great sight lines. The tower can be built two or three storeys high and had its first outing in September at BBC Radio 2’s Party in the Park.

BUNKABIN Cambridge Event Bars’ new Number 65 bus bar, a converted vintage bus, had its first outing this September too at IWM’s Battle of Britain airshow. On display at The Showman’s Show, the bus has a vintage feel and has the ability to serve 500 people an hour. Liquiline – now owned by the same investment company that owns Water Direct – showcased a new three-phase pump, which enables the temporary water specialist to deliver slightly larger water systems, and Neptunus unveiled the Alure Globe Dome, a modular and circular version of its Alure Globe structure. At 360 square metres, and with the capacity to host 200 people comfortably, the Alure Globe Dome can be fully wrapped and is pitched as an alternative to clearspan temporary structure.
SUSTAINABILITY AND EVENT MEDICINE
Visitors also had the opportunity to check out Falcon Power Generation’s new product range, which included Stage V generators, Punch Flybrid and Hussh Pods. The Flybrid allows you to reduce the size of a generator whilst powering a crane and the Hussh Pod can be used alongside a generator in a residential
40 n www.simpliwifi.agency
area, for example, and is ideally placed to power CCTV and security cabins. Located on Avenue B, Falcon Power Generation’s stand was perfectly placed to capture the attention of everyone attending Vision 2025’s Sustainable Event Summit, which saw the launch of The Purple Guide’s Environmental Chapter. Plus, The Showman’s Show was also the official launchpad for the Event Medical Association. The new body representing medical providers working within the events industry, whose creation has been supported by the National Outdoor Event Association (NOEA), aims to promote improved and more coherent working practices within the event medicine sector and to address incoming governance that will regulate the medical treatment of attendees at events. Talking on the launch, Dr Chris Howes, co-founder of the Event Medical Association, said: “This is a vision that has been a long time in the planning. There is a huge demand for what we’re trying to do, and I can’t thank NOEA and The Showman’s Show enough for giving us the support and the platform we need to get it out into the industry.”

SOUTHAMPTON INTERNATIONAL BOAT SHOW
exhibit
sixty
Deep dive Southampton International Boat Show’s operations team discuss event developments, site changes, and operational improvements last few years have not been kind T he to British Marine, the organiser of
Southampton International Boat Show. This year’s event was the team’s first full show since COVID. In 2022, the show was impacted by the passing of Her Majesty Queen Elizabeth II and closed on the day of her funeral. So, you’d think that the show’s organising team would be due a break. No. The ten-day show that takes place over 70,000 square metres welcomed more than 92,000 visitors and had been well on track to hit its target of 100,000 until bad weather hit. This year’s event – its 54th outing – was impacted by high winds, driving rain, and lightning and a decision was taken to close the show’s water activities (on three of the ten days) for the safety of all attending visitors and exhibitors. Despite the disruption, the show has been heralded as a success with 9,000
48 n www.exhibit3sixty.co.uk
visitors taking to the water to try everything from dinghy sailing, paddleboarding and kayaking to RIB rides, yacht cruising, and motorboating. The show’s Beach Haven and Watersports Lake was just one of several developments introduced by British Marine, which made changes to the show’s content and backof-house operations. For example, visitors could try their hand at SUP yoga and model boating at the Beach Haven and Watersports Lake, which was situated near the show’s main entrance in a bid to keep the show fresh and exciting. Yet, it wasn’t the only change to the 2023 event. The show also featured a larger entrance and box office – dubbed an “enhanced first impression” – a new Shipyard area, an entertainment stage that brought a festival feel to the maritime event, and a new VIP Quayside Club. All this has been achieved by
reworking an area no longer previously used by a large exhibitor, reducing the size of the show’s boneyard, and “taking back” some VIP parking.
PATTERNS OF BEHAVIOUR
Mark Ring, head of events at British Marine, led Southampton International Boat Show’s team of experienced event professionals, including Kimberley Wood, event production manager, and Tammy Elliot-Williams, site coordinator. Elliot-Williams joined the show in May and Wood returned to the show after a two-year break and has experience of the event and all its nuances. “The first thing we did was meet up with all the contractors,” explained ElliotWilliams. “A lot of the contractors here have been doing the show for a long time. They’re like a big sort of dysfunctional family, we’re like the Waltons, so we sat down and talked

SOUTHAMPTON INTERNATIONAL BOAT SHOW
THE SHIPYARD
BOAT SHOW ACTION to all of them about everything that worked, everything that didn’t work, and what could we do in the time that we had to go forward.” The show’s organising and operations team benefitted from a clearer definition of roles [site management and production management are now split] and contractors’ patterns of “good behaviour” and patterns of behaviour that British Marine would like to see changed were mapped by each respective manager. Elliot-Williams was responsible for security, traffic, cleaning, plumbing, electrics, structures, trackway, pedestrian trackway, PA, waste disposal, water treatment, cabins, grounds and maintenance crew. Wood was responsible for catering, exhibitions, furniture, signage, registrations, and ticketing and both have worked on the traffic management plan with all suppliers and contractors happy that they had been
Sponsored by exhibit3sixty
KIMBERLEY WOOD engaged earlier in the decision-making process to have input. Early communication and consistent communication have been instrumental during the build phase on the tight site. ElliotWilliams explained: “Some of our contractors have been with us for more than 30 years. What they don’t know is not worth knowing, and so there’s no point in reinventing the wheel without consulting them.” She added: “We’ve reduced time-wasting and have produced timelines, so contractors have access to areas when needed. So, for example, if marquees are ahead of the game, we start to speak to the plumbers, we speak to PA, and we speak to the Wi-Fi team, and make sure that them moving forward isn’t counterproductive. It’s great if marquees can get finished in a week but it’s actually no good if then we have to retrospectively take up the floors.”
MARK RING
TAMMY ELLIOT-WILLIAMS www.exhibit3sixty.co.uk n 49
SOUTHAMPTON INTERNATIONAL BOAT SHOW EXPERIENCE AND TECH
The site has been built in phases – pedestrian bridge build, venue build, and exhibition build – with this year’s build being described as more proactive rather than reactive. The phased build was introduced alongside the phased traffic plan. Wood explained: “We introduced a new vehicle access system for exhibitors to give them an enhanced experience of getting on-site. It’s a congested site, so we have to manage it by square metreage to ensure who goes through at what time. “We introduced a booking system. Exhibitors can jump online and book their time slot. They’ve got a PDF of coloured stands, so they pick where they are, and then we review it internally to make sure they can get on site. We introduced stacking areas, and it’s allowed us to stagger the build, so we know who is turning up at what time.” This year’s event was also marked out using GPS, as a result of Ring meeting Event Site Design at Event Buyers Live. Event Site Design worked with the Southampton International Boat Show’s team that has marked out the site with tape for years. It is a prime example of how a show can blend team experience and technology to deliver things faster.
FIRST IMPRESSIONS
Again, it’s not the only new development this year. Wood continued: “We use Eventree for our tickets, but this was the first year that we used the platform for all our exhibitor passes. We asked all exhibitors to complete their site induction form on Eventree before they could get their exhibitor pass QR code.
“We also worked with LiveBuzz on our exhibitor manual to ensure that exhibitors and their stand contractors get all the information they need. I am responsible for the exhibitor experience, and we asked LiveBuzz to create a web shop, which is like ASOS or John Lewis, so exhibitors can add everything they want to their basket and pay for it. For smaller exhibitors, it’s easier for them to know they have ordered everything they need, and that it will be ready for them when they arrive on site. The first point of their experience – from an operational side – is that platform so having the information and forms they need is great.”
MAKE IT RELEVANT
Ring, Wood, and Elliot-Williams are yet to have their big event debrief but all are certain that these new measures can be built upon and taken forward. Ring believes that both visitors and contractors will buy into a new system or new way of working if they have a positive experience. This is why Wood has felt the need to undertake several site surveys – alongside new branding supplier InEvent Branding – to ensure the signage, for instance, is both impactful and easy to follow. Wood explained: “Last year’s visitor feedback identified a need for more furniture and more directional signage. It’s a long walk from the entrance to the marina and as soon as people leave their cars, they need to know where to go, and as soon as people get off the train, they need to have a good idea of where they’re going too. “It’s so important that our visitors know where they are going. We want them to be
exhibit
sixty
in a good mood when they get to the show entrance because if you have a bad time getting to the site or a bad time getting in, that’s their taste of the whole show.” Now, as the show has drawn to a close, thoughts have turned to 2024. Ring, Elliot-Williams, and Wood plan to build on the show’s new moves. Elliot-Williams concluded: “You can never make something perfect when you have a first run at it. But as long as you’re learning from it, and not overcomplicating things, you just need to try and make sure that what you are doing is relative to what people want and need.”

Reducing your impact How can you reduce the environmental impact of your event without impacting your audience’s experience? Organisers reveal their sustainable moves We Out Here festival moved W hen location in 2023 from Abbots
Ripton, Cambridgeshire, to Wimborne St Giles, Dorset, the organising team knew it had a massive list of new operational and production requirements. With every site move or even tweak, there is an opportunity to breathe new life into an established event, but We Out Here had an extra challenge. Wimborne St Giles sits within Cranborne Chase, the first Area of Outstanding Natural Beauty (AONB) in the country to be designated in its entirety as an International Dark Sky Reserve. How could the organising team deliver an extraordinary festival full of magical moments and minimise its impact on the skies above? Joe Barnett, director of We Out Here, drew on the expertise of Clare Goodchild, director of Organise Chaos. She was the festival’s operations manager, but this year was promoted to project lead. Project 30’s Craig Mathie, the former managing director of Bournemouth 7s, was the festival’s operations manager with Organise Chaos’ Tom Wilkinson and Jamie Russell overseeing site management. Together, they had to devise a plan that would balance the needs of the Dark Skies Reserve team, the landowners, and the festival.
Sponsored by GL events UK
“It involved a lot of reading to fully understand what a Dark Skies Reserve was and an AONB,” explained Goodchild. “When we decided to move site, we knew that we would be operating within the reserve and so it was important to protect the area’s tranquillity, wildlife, and natural beauty.” The We Out Here team worked alongside Steve Tonkin, Cranborne Chase’s Dark Sky Advisor, and began the task of creating a policy document to identify what exactly needed to be done. Tonkin said: “We had regular online meetings during which we discussed how the lighting needs of the festival could meet the requirements of an International Dark Sky Reserve which, in summary, is light that shines only where and when it is needed, and is of a quality that is sympathetic to the needs of wildlife. We Out Here accepted our suggestions for shielding and directing light, and consulted us when changes needed to be made. The result was a well-lit festival site that did not adversely impact on the wider dark sky environment.” The main priority was to minimise any upward lighting and to investigate certain hues of colour. The big challenge surrounded the festival’s nine kilometres of festoon. Goodchild continued: “We needed to stop
the light from the festoon going upwards, so we had to cap the bulbs. And do you know what the best thing for that was… the small cones that you use in sport. They fitted perfectly and reflected the light down.” Wilkinson worked with Power Revolution to find the best solution for the festoon. In total, 2,800 multi-coloured cones were purchased and each one had to be fitted manually. “When Tom first called me to say he wanted to put cones over every lamp on the festoon I thought he’d lost the plot slightly,” said Marc Powell, director of Power Revolution. “After a few trials with differentsized cones, we found an ideal fit. On site the crew were happy to get on board with the idea and set to work on installing 2,800 cones! The end result was not only functional to bring the light pollution down, but looked great too, adding a colourful glow to the whole site.” Wilkinson also worked with Illumin8 to apply a filter to all tower lights that gave the lights an orange hue and the festival’s technical manager Kyle Blackburn, director of Soundfangled, worked with Colour Sound Experiment and made sure that artists and performers were made aware of the Dark Skies Reserve during the advance. No lighting or effects could point towards the sky.
www.glevents.co.uk n 53
SUSTAINABILITY “Our lighting teams made sure that lights were pointing in the right direction,” added Goodchild. “We even looked at the angle of the lighting on our emergency exit signs. We built the requirements of the reserve into our sustainability goals and policies so it was at the forefront of everyone’s minds and did the most we could to keep the site safe and give people a good experience. No one wanted to impact what was on the stage or safety so because the festoon lighting was shining down, we looked at whether we needed more of it and at our site designs.”
FIVE-STAR FESTIVAL?
Hard work and close collaboration between teams made things happen. “Our show happened on the same weekend as the Perseid Meteor Shower,” Goodchild added. “We knew people would be travelling to the reserve to look at it so that was something else that we had to take into consideration, but our audience is very socially aware and values-driven, so we spoke with them and educated our audience on the work we were doing.” The festival was a success and subsequently, received Dark Sky Friendly Accreditation – three stars out of five – in recognition of its work. Barnett confirmed that he and the We Out Here team will continue their work with Cranborne Chase and share their learnings of the Dark Sky movement. Next year, the We Out Here team hope to build on its achievements and is aiming for five stars and it has already acknowledged that it wishes to work with its fairground provider to tweak the lighting on the show’s fairground rides.
GREEN WRISTBAND
It’s important for the We Out Here team to progress and continue minimising its impact on the area in which the festival operates. Jess Jones, event manager of Greenbelt, concurred. Recently, she updated Greenbelt’s sustainability policy for the 2023 festival, formalising its goals. Jones said: “We have been committed to sustainability for a long time and were an early adopter of Vision 2025’s pledge, which is to significantly reduce our climate impacts. We are still calculating our final figures from this year’s event, but I know that our Scope 1 emissions are down because we changed to HVO [hydrotreated vegetable oil].” Greenbelt worked with Judgeday and Gofer to address its on-site carbon emissions and also introduced sustainability fairies to the festival, who educated and informed festivalgoers about where to put their waste and about the positive changes they could make to help the environment. “We did a lot better on waste this year,” Jones continued. “I think that was down to the sustainability fairies and because we did extra work on our procurement and looked harder at what was coming to our site. Why was it on-site in the first place and where was it going afterwards?”

SHAMBALA Greenbelt worked with Greenbox and increased its recycling rates by ten per cent to 40 per cent. Greenbelt also increased the number of compost toilets [sourced from Excloosive] on-site to 50 and will increase them again in 2024. Plus, it worked with PEEQUAL. Jones continued: “Audience travel is responsible for most of our carbon emissions. We already have a free shuttle bus that people can use if they travel to our site from Kettering and this year, 840 used it compared to 746 in 2022. I would like to introduce a green wristband option to our festival that people get when they have proved how they travelled to our site, and it could potentially give them a discount on merchandise or the bar. “Travel is definitely a focus for 2024 and I want to look at our waste hierarchy too.”
SUSTAINABLE FAIRIES AT GREENBELT
CHALLENGING INITIATIVES
Waste was one of London Marathon Events’ areas of focus for 2023. The organiser of the TCS London Marathon and The Big Half not only increased its use of electric vehicles on the marathon but also improved its waste stations with better signage, by recruiting keen volunteer students studying sport sustainability and holding briefings well in advance. It also ramped up communications with its participants asking for their help in keeping waste separated and highlighting the role being undertaken by its volunteer team. Kate Chapman, head of sustainability at London Marathon Events (LME), explained: “One of our new sustainability initiatives in 2022 was the introduction of volunteer-led waste stations. Dealing with waste is one of the most challenging initiatives to get right at an event. If waste of different types is all mixed in together, recycling and/or composting is much more difficult. Signage alone doesn’t work in terms of encouraging people to stop and put their waste in the ‘correct’ bin.

SUSTAINABILITY “Our waste stations are bin clusters that are barriered off from the public. Teams of volunteers (suitably gloved) take the waste items that participants hand to them and put them in the correct bins. “From the initiative in 2022, we learnt that these waste stations need very prominent and large signage for recognition and our volunteers need very clear briefing as to what can and can’t go in each bin. We also needed to staff the bins along The Mall after the Finish so that we could collect as many bottles as possible at this point (for closed loop recycling) and also foil blankets (for repurposing).”
PURPLE GUIDE
Waste is just one of the key areas being covered in The Purple Guide’s new Environmental Sustainability Chapter, launched earlier this month by Chris Johnson, chair of Vision 2025 and Steve Heap, chair of the Events Industry Forum. The new chapter, a concise overview of best practice, including links to relevant guidance, legislation and resources, will be live to subscribers of The Purple Guide in the coming weeks. It includes insight and guidance on governance and strategy and covers energy, materials and waste, travel and transport, food and drink, water, and additional sections on communications, partners, and sponsors. Best practices championed in The Purple Guide have become accepted as industry standards for organisers, local authorities and suppliers, to comply with legislation and create safe events. The guidance in the Environmental Sustainability Chapter aims to provide a common and accessible understanding of sustainability best practices
for the whole events industry. It is hoped that it will drive a shift toward more environmentally sustainable events, and support organisers and local authorities to gain a clear picture of “what good looks like”.
FOOD FOOTPRINT
Many organisers are working hard to think of new ways to reduce their event’s impact on the environment. For example, Boomtown has recently introduced a Green Transport Citizen Entry Ticket, which gives festivalgoers who commit to arriving at the festival by public transport, discounted entry and a free Wednesday upgrade. Likewise, Shambala is making a huge effort to reduce its impact and this year, concentrated on food and food miles. Josephine Bodimeade, Shambala’s new sustainability manager, explained: “We achieved our first ever festival-wide food footprint, something we’ve been trying to do for years, as part of our ultimate goal that all meals served on-site are a One Planet Plate, the globally accepted measure of a sustainable meal, which is less than 0.5kg CO2e per meal. “We worked out the footprint by signing up to use a snazzy online food calculator called Klimato. Then we asked our food traders to add each dish, adding every ingredient individually by weight and origin, to the best of their ability. This provided the footprint for each meal, and we then used POS (point of sale) data to multiply this to get a full picture of the total food footprint from actual sales across Shambala.” It was a big ask for all traders to input their data and after some chasing, three-quarters of Shambala’s food traders provided the information needed.
“Overall, our food footprint equated to 48.8 tonnes total of CO2, which will likely be around 15 per cent of this year’s total festival footprint, but we are still crunching all the data. The really exciting thing is that the average meal served by traders at this year’s festival measured in at 0.43kg CO2e. This is based on data from 245 individual meals entered into the footprint tool.” Bodimeade continued: “That’s the average, so some were less and some more, and it’s based on full meals i.e. not snacks. The average based on total sales of meals is actually 0.54Kg CO2e, showing that there is a tendency toward people choosing the slightly higher impact dishes on offer.” This year, From the Fields’ looked at how it could reduce food waste at Bluedot, including waste in crew catering. Shambala concentrated on crew food too and used Klimato for crew catering. Its crew caterer served less than 8,000 meals over two weeks, which amounted to 4.1 tonnes CO2e, 8.5 per cent of its total festival food footprint. Frustratingly, Shambala just missed the 0.5kg CO2e per meal target, with meals measuring (on average) 0.51kg CO2e per dish. So, what’s next? Bodimeade concluded: “Whilst the average meal on offer is under 0.5kg footprint, nearly one-third, (71 of 245 dishes), were over the One Planet Plate 0.5kg CO2e target, mostly dishes with dairy cheese, rice and soy protein. Surprise ingredients with high carbon footprints were sunflower seeds, hummus, tahini and cooking oils. We want to maintain a delicious food offering and so we will be working with traders to see what changes can be made, with the ultimate goal of 100 per cent of meals served at the festival being One Planet Plate by 2025.”

GROUND PROTECTION
TPA IN ACTION
Take the floor Ground protection and flooring specialists talk industry trends, best practices, and new products the weather is dry and the ground W hen is hard, it can be tricky to argue the
importance of trackway and the need for hard-wearing ground protection. But just one small change in the weather can quickly alter site conditions and turn a once peaceful field into a scene of devastation. Rain can have a huge impact on already scant resources, which is why sturdy ground protection and flooring solutions are essential if you wish to protect the ground from damage and improve access for vehicles and pedestrians.
TIGHT CURVES
Unfortunately, trackway is one of the least budget-friendly commodities and this can sometimes lead event professionals to favour price over service and other considerations. EFS Europe’s Hex Road product was selected by LFX Events for Futuresound Group’s inaugural Within The Walls concert series at Ludlow Castle. In total, 400 square metres of Hex Road was dry-hired and chosen for its ease of installation. LFX Events used its own crew for the installation and the uplift, despite having no previous experience working with Hex Road. The roadway was installed with the addition of EFS’ Geo-membrane to further protect Ludlow Castle’s grounds and gardens.
Sponsored by TPA
Despite the weekend’s heavy rain, event traffic was able to able to use the roadway to transport staging and lighting equipment into the castle’s inner turret where the concert took place. Jeremy Simpson, managing director of EFS Europe, said: “Hex Road is a versatile non-metal, interlocking system, which is suitable for all types of ground and usage. It protects the ground from long-term damage. Unlike aluminium flooring, no heavy machinery or equipment is required to install the product. It is all done by hand, which also means it can overcome any tight curves, narrow passageways and any other location obstacles – another reason our product was selected for the job within this historic castle.”
PRESERVE THE GROUND
Beaulieu is an award-winning family visitor attraction located in the heart of the New Forest National Park. Operated by Beaulieu Enterprises, the land on which Beaulieu now stands was once a royal hunting lodge and the property of the Crown. Understandably, Beaulieu Enterprises is keen to protect the land when the estate hosts an event. In May, Beaulieu’s annual Spring Autojumble welcomed 13,000 visitors and exhibitors to the grounds of the National Motor Museum in Hampshire.
The organisation worked with TPA, which provided heavy-duty aluminium trackway panels to the Spring Autojumble. It was required in the tight spaces between the event’s marquees to preserve the ground from vehicle and pedestrian movements. Next year, TPA – which recently launched SitePlotter, an app that provides greater clarity, communication, and consistency when planning a temporary roadway installation – is confirmed to work on Beaulieu’s Autojumble, as well as Royal International AIR Tattoo (RIAT) and Big Church Day Out. All of these events were delivered successfully in 2023, which is why TPA has been contracted again.
DIFFERENT PURPOSES
Kevin Thorborn, managing director of MOJO Rental UK, said that the company has experienced a busy summer, supplying ground protection to a variety of events and stadium shows, and is set to be even busier given its recent acquisition of Entertee, which supplies fencing and heavy-duty access mats to event organisers. The acquisition will enable MOJO and Entertee to combine their resources and capabilities as former partners to offer their customers more innovative and comprehensive solutions for their events.
www.vp-tpa.com/gb/ n 61
GROUND PROTECTION The two companies will also benefit from each other’s networks and relationships in the event industry. Thorborn, said: “Entertee has a range of heavy-duty aluminium products and accessible EuroMats. Each serves a different purpose and so if you look at all the products we have between us, we can cover a lot of things.”
CARBON CALCULATOR
TPA says that its Terraguard product and fourmetre aluminium panels remain popular with organisers. Mark Pruce, director of Captrac, also concurred that its Terraguard product was popular with its customers because it is incredibly quick to deploy, features a multidirectional, anti-slip tread pattern and allows the grass to continue to grow for the duration of the event. This is an important factor to consider, especially as more and more organisers consider the environmental impact of their events and festivals. In August, TPA launched an online calculator that enables event professionals and contractors to compare the carbon savings of portable roadways over aggregate and stone roads. The interactive tool allows customers and businesses a quick and easy insight into how they can reduce their CO2 emissions and calculates how many trees the CO2 saving equates to. It is an example of how a growing number of event contractors are working with organisers to offer sustainable solutions.
SUSTAINABLE SOLUTIONS
For example, CTN – a supplier of carpet, PVC vinyl flooring, and wall coverings to the marquee, event, exhibition and creative
industries – has launched an EcoPod system that allows organisers to recycle its Regency, Sovereign, and Windsor carpet ranges. In the last 12 months, 350 tonnes of carpet (680,000 square metres) have been recycled/converted into polypropylene material which is then used to manufacture items such as insulation used in the construction industry, roofing tiles, and numerous automotive components. Paul Slack, director of CTN, explained how the service works: “Post-event, we can uplift and remove the flooring, transport it to a depot where it is sorted and processed and held until a suitably sized batch is ready to go on its recycling journey. There are several routes this can take, dependent upon the demand of the polypropylene market at the time of recycling, but typically it will be extruded into polypropylene granules for onward use in the manufacturing industry. We can arrange for one of our EcoPods to be placed on-site with our client and the used carpet is placed inside. We simply collect and arrange the recycling. Alternatively, we can uplift and remove directly from site/venue post-event.”
David Kemp, general manager, of Sommer Event Flooring, said: “If you are using 70 per cent less energy in production, it doesn’t make sense to charge customers more. Our aim is to have the same product made using less energy and sold at a similar price.” He continued: “The problem we have is that carpet can be recycled but it has to be removed in a considerate way so that it can be recycled but that process needs to be monitored and measured.” Kemp concluded: “Event organisers and contractors need to be accountable because a lot of people are claiming that they are recycling products but where is the traceability and transparency? As a manufacturer, we want our products to be recycled but we can’t control anything once it leaves our warehouse and that’s the biggest issue.”
FOCUS ON QUALITY
CTN is currently working on a new technically advanced e-commerce system that will provide customers with a “new and exciting way to interact” with the business. It will be rolled out in early 2024. Sommer Event Flooring, a manufacturer of event and exhibition carpets, has pledged that by the end of 2024, its main product ranges will be bonded using fusion fibres and not synthetic latex. It’s a process that uses less energy during production and is, therefore, a more sustainable product and it will be priced at a similar price point to now.

HULL FAIR
The bigger picture CCTV and pomegranates. Hull City Council’s Helen Thackeray talks all things Hull Fair, Europe’s largest travelling fair for bringing the weather with T hanks you,” laughs Helen Thackeray, as
StandOut enters her cabin, dripping wet and in seek of refuge. “We’ve had lovely, balmy weather until you arrived.” Thackeray chuckles some more. It might be miserable outside but we share a warm embrace. It’s been some months since we last met. Today, we find ourselves in a car park, next to MKM Stadium, home of Hull City (football) and Hull FC (rugby league). Hull Fair is in full flow and it’s Thackeray’s job to ensure Europe’s largest travelling fair and one of Hull’s oldest traditions runs without a hitch.
TRADITIONS
For eight days in October, more than 600,000 people visit Hull Fair, which has taken place on Walton Street – its current location – since 1888. The restricted 16-acre site, flanked by a railway track, MKM Stadium, and a residential area, is alive with the sights and sounds of
64 n www.standoutmagazine.co.uk
more than 400 rides and attractions and the smell of 140 competing catering outlets. It’s a heady mix for the senses and is described as the most intricate 3D jigsaw puzzle. Thackeray, corporate events manager at Hull City Council and chair of the Local Authority Event Organisers Group, is passionate about the fair as are the city’s residents. For starters, the fair has many traditions. When you leave the fair, it’s custom to buy a bag of brandy snaps, toffee apples, and a pomegranate! The latter because as a port town, Hull was one of the first areas to import the exotic fruit. Showmen would pick up pomegranates on their way to the fair and sell them to visitors. That tradition lives on.
PARTNERSHIP
It’s one of many stories shared by Thackeray that paints a softer picture of the fair – one of tradition and community – which is organised by Hull City Council in partnership with the
Yorkshire branch of the Showmen’s Guild. The fair – which has a Royal Charter that states a fair must take place in Hull and “contain the 11th” – is so large it is split into four zones with larger high-octane rides on the site’s periphery so that emergency services can easily access them if needed. “We work really closely with Michael Cowie [chair of the Yorkshire branch of the Showmen’s Guild] on this event,” says Thackeray. “There’s no single element that could run this fair on its own and I have to say we run a lot of events, but this is the biggest and most successful multi-agency event I’ve ever come across.”
AMMUNITION
The site has more than 10 entrances and Walton Street is a mile long. Parking barriers have been installed to prevent fairgoers from abandoning their cars and Thackeray and her team are excited about the addition of 10 new cameras on-site. She continues:

“We’ve tried for years to use an awful lot of GPS in the city. The problem we’ve got is we don’t have the number of masts that a lot of people have, so we’ve gone to a Wi-Fi-only setup now. It just gives us a lot more eyes and ears on-site. “The big thing this year is looking at our crowd from above because CCTV gives you that angle of about 35 to 40 degrees. We’ve employed a drone company to give us live drone footage into our control room. That’s been great because on a Friday and Saturday night when you’re working towards your capacity, it gives us a double-layer view, and it’s meant that we can give our stewards the best possible information about where we want people to be. “We have looked at putting in a one-way system – like Lincoln Christmas Market used to – and having one route in and one route out but the logistics don’t work, and we’d actually cause more crowd concerns if we did that,” she explains.
HELEN THACKERAY www.standoutmagazine.co.uk n 65
HULL FAIR Hull City Council plans to use the footage to educate emergency service partners that only assess the event site from the perspective of a CCTV camera. Thackeray adds: “As event organisers, we say to our emergency service partners: ‘Work with us, trust us, believe us, it’s working well’. Now the footage gives me more ammo to say what I’m telling them is right. “A picture is worth a thousand words and if I can show someone a drone shot and a lot of ground then if I am working with a young Police officer, I have proof that the site is OK. The other thing we can do is give people better advice on the best times to visit the fair and we as a council can communicate better.”
HOME FROM HOME
Thackeray states that all councils have recently had to make tough decisions about the running of their event programmes. As council budgets are squeezed, many public events are being cancelled but there would be uproar if Hull City Council cancelled Hull Fair, which has grown in popularity. The fair is bursting at the seams with fourth and fifth-generation travelling showmen, some of which were even born on the event site. During the event, the council operates the Hull Fair School and an on-site temporary post office so that the travelling community can get their post. “We try and make sure that when they’re here [Showmen and their families] it’s a bit of a
A ROYAL CHARTER FAIR
66 n www.standoutmagazine.co.uk
home from home. We try to look after them as best we can and make sure that they’re as safe as every person that comes to the fair because it has to be everybody, or it just wouldn’t work.”
KNOWLEDGE
More than 260 families live on-site or in the immediate vicinity and are supported by the council which installs the site’s electrics, water, and Wi-Fi. Quite a large area around the site is affected by the fair so detailed planning, forward-thinking, and a multiagency approach are required. Thackeray comments: “Our biggest thing for the next sort of five years is we are an older events team, and our major thing now is what happens to all of that knowledge and evidence that is within the events team? We’ve come from a world where things were handed down and handed on. We could all disappear off the planet tomorrow and fortunately, the Showmen would know to the millimetre where they went on the site, but it’s that multi-agency learning. “We’re trying to develop a How You Run Hull Fair Guide. That’s absolutely massive. I mean, we’re very heavily into training that next generation. Event organisers that have done events of this size are very scarce so we’re just trying to build the next generation of suppliers and people.” Thackeray continues further: “We have started to write the guide and write our knowledge down, everything from issuing
a noise notice to Catering Rights and Showmen’s Rights. But in the next two to three years, we have to make sure all that knowledge is written down and more importantly, that it is understood.” Right now, Thackeray is too busy to pick up a pen as she is too busy returning lost property to fairgoers and ensuring the extra mental health first aiders deployed across the site are looking after people in one of two welfare facilities on-site. There are three days until Thackeray and her team – Jonathan Black, Michelle Kidd, Daisy Fletcher, Cheryl Ribbitt, and Daniel Watson – can put another successful and stimulating Hull Fair under their belt. Until next time. I’m off to buy a pomegranate.

The environmental activists were two of three people arrested at Wimbledon on July 5 for aggravated trespass. Their actions caused the All England Lawn Tennis Club to increase security measures at the respected and revered tennis tournament. With a grounds capacity of 42,000 each day, the additional measures – 100 per cent bag search and selective body searches – resulted in long queues to enter the site. But the operational tweaks were necessary. Wimbledon reallocated staff resources, delivered additional briefs to staff managing queues, and communicated with fans waiting in the queue to enter the hallowed venue.
PLAN AND REHEARSE
Wimbledon was just one sporting event to be impacted by Just Stop Oil protestors this
and The British Open, as well as BBC Proms, a West End production of Les Misérables and on October 15, protestors coated a giant screen with orange paint at major games expo EGX 2023 at London’s ExCeL. Protestors entering event sites, blocking entrances and exits, and disrupting operations are a concern for organisers with event security professionals warning that it’s an issue that is not likely to subside in 2024. Yet, profiling is incredibly difficult especially when protestors are dressed akin to the event they are attending. Annie Chebib, secretary of the UK Crowd Management Association (UKCMA) and managing director of Select Security and Stewarding, said that the UK Government is not planning on changing its climate policies any time soon so organisers can expect protestors to be a very real threat and therefore, should plan and rehearse security plans accordingly.
FORCE DISRUPTION
“A lot of clients have been looking again at their security plans because of what they believe is the forthcoming Martyn’s Law elements and protestors,” explained Oliver Gardiner, managing director of Vespasian Security and UKCMA member. “Protestors… it’s really to do with reputational damage rather than anything else. Organisers are reviewing some of their sponsors because actually, it’s the sponsor’s operations that have that impact on protestors. “However, when dealing with protestors, what procedures are you as an organiser putting in place which may have a detrimental knock-on effect elsewhere? Do you search down to a grain of rice when in actual fact, no one’s going to get in or it’s going to take a very long time to get in and therefore, what you have is a potential soft target? “Protestors don’t need to be successful in their protests.,” Gardiner continued. “They just need to force enough disruption, so people are talking about their cause.”

ADDITIONAL MEASURES
Vespasian Security – which provides security services to 2000trees and ArcTanGent – recently supported the Formula Kite European Championships in Southampton with counterterrorism tabletop planning and incorporated advice on how to deal with protestors. Similarly, Newman Event Services – founded by Dean Newman – works with London Marathon Events (LME) on the TCS London Marathon start area. This year, it worked closely with LME and Metropolitan Police to look at crowd management and counter-terrorism and provided additional staff to the start area. The organising team was concerned about Just Stop Oil protestors infiltrating the site. However, it was not the only event that called on Newman Event Services for extra support. Newman worked with the organiser of Kite Festival – a collaboration between Neapolitan, U-Live and Tortoise Media – to assess the many different routes that it could safely get high-profile and potentially controversial speakers such as John Major and Jeremy Hunt in and out of the event.
COHESIVE COMMUNICATION
This year, for the first time, Newman Event Services provided crowd management and site security services to Henley Royal Regatta, the rowing event, before heading 500 metres down the road to work with the team behind Henley Festival, the music festival. Newman Event Services worked alongside AP Security and WH Security to provide Henley Festival with security and response teams. Newman said: “Gone are the days where five or six companies would have all the big security contracts and then sub them out. Now, you see lots of security contracts broken down and several security companies working together on site.” It certainly is a trend. Becky Stevens, managing director of Hybred Events, worked on Brighton Pride as Pride liaison in the multiagency joint control room. Whilst the event had created a Protest Response Team, it was not needed. However, like Henley Festival, Brighton Pride did contract five different security companies to provide security staff and stewards to the event. It was felt that each company sent their top team members. Chebib concurred with both Newman and Stevens and said that the splitting of security
70 n www.standoutmagazine.co.uk
DEALING WITH PROTESTORS contracts is becoming more commonplace. She explained: “This is good because it means organisers are getting the levels of staff they require but where does the responsibility of one security start and where does another one stop? I appreciate that people are doing it for the right reasons but sometimes it can make command and control difficult, and then it’s difficult to get cohesive communications.”
CLARIFICATION NEEDED
A lack of experienced staff, crowd behaviour, austerity, weather, and security training are all other issues impacting event security and stewarding, said Chebib. A lack of clarity on Protect Duty is also an issue, especially as some local authorities and SAGs are treating Martyn’s Law as if it is already law. Gardiner agreed. He confirmed that he has sat on several SAGs, where organisers have been asked to present a Protect Duty policy. He has reminded those involved that Martyn’s Law does not exist yet. He said: “Hopefully, it’s [Protect Duty] is being used by SAGs as a
method of awareness for responsibility and it’s not to be used as a big stick to scare people away from putting in event applications because that’s damaging.” Chebib stated that the events industry is waiting to see if Martyn’s Law is mentioned in the King’s Speech on November 7. On October 16, the House of Commons published a Protect Duty/Martyn’s Law research briefing. However, Chebib said the legislation is lacking clarity and clarification is needed quickly. “Whilst the industry has experienced many challenges, there are many positive things that we can take from the last 12 months,” Chebib commented further. “People’s understanding of crowd management is better and realise that it does site alongside event management and safety. “Organisers are also understanding the need to understand the topic,” she continued. “Lots of organisers want to work together to come up with solutions on a more specialist level, and that should be applauded.”
