eamwork makes the dream work. It’s a mantra that we regularly band around the StandOut office. If one of us falters, the rest of the team is there to offer support and do what’s necessary to make the cogs turn. Equally, we all rejoice when there’s happy news to be celebrated. We really do have each other’s backs. It’s rare to find a team that gels so well, but it’s teamwork that has ensured we have stayed the course and can look forward to our 18th anniversary celebrations in 2023.

Mental health and staff welfare are so bloody important; it’s why it is a key focus and one of the core pillars of Event Buyers Live this year. If you turn to page 28, you can read about the event’s packed content programme featuring the brightest minds of the events world. I am so grateful that more than 30 event professionals have agreed to share their knowledge and guide discussions around a whole host of event-related topics.

I’m not going to lie; Event Buyers Live is intense. I often leave the event with a headache, but it’s a good headache (if you know what I mean). I like to think it’s the result of productive conversations and a sign that we have done all we can to be helpful and make sure that guests achieve all they want – and more – from their time at EBL. This year will be no different. We’ll do all we can because we know it’s been a stressful year; many #eventprofs have reported how they have felt so overwhelmed. Again, this is another reason why we have focused on staff welfare in this issue and sat down with Alli Scott, who delivers volunteer management, accessibility, and crew welfare expertise to several large-scale festivals, including Green Man and Glastonbury. She’s a good egg and was a real pleasure to chat with. She thinks it’s time that organisers had some real conversations with their teams about how they are feeling. Those conversations need to happen now. I don’t think next year will get any easier; there will be challenges. However, if we plan now and put in place some support mechanisms then 2023 might just be a little bit more manageable.

Lisa Thompson is the event lead of the TCS London Marathon, which is organised

by London Marathon Events. Lisa has worked at London Marathon Events for more than 28 years. She has vast experience in mass participation sport, event operations, and event management, having previously enjoyed roles such as director of operations and course manager. She is also head of operations of Abbot World Marathon Majors. In this issue, Lisa talks to StandOut about her role in the London Marathon, which featured a new title sponsor and welcomed several new event developments.

NOWIE launches Level Up mentoring scheme The Network of Women In Events (NOWIE) has announced the creation of Level Up, a mentoring programme aimed at women in the mid stages of their careers. The aim of the scheme is to support women in taking their next step.

Level Up – sponsored by Standon Calling and Organise Chaos – will pair women in their early to mid-career in the industry, with a mentor whose career has taken them to senior roles with relevant experience. Pairings will be tailored according to a mixture of factors, from area of work, specialisms, employment status and many more.

The scheme will last six months and will include networking opportunities for both mentors and mentees as NOWIE aims to create an alumni network for mentees with each year of Level Up that passes.

Mentors already signed up to Level Up include Megan Kieran, director of live at Us Experiential, Laura Armstrong, independent senior event producer, and Sarah Slater, vice president of music and festivals at Ticketmaster.

Pre-registrations are open for those interested in becoming a mentor and NOWIE will soon accept expressions of interest from candidate mentees.

BSI considers revising ISO 20121 event sustainability standard The British Standards Institute (BSI) is calling on the events industry for feedback, as it is considering updating its ISO 20121 Sustainable Events standard.

ISO 20121, the international sustainable events standard, is designed to help all types of events — from large sporting events, international summits, cultural and music events, to local community and private events — to be more sustainable.

UEFA Women’s EURO 2022 positive impact report published UEFA and The FA have released the UEFA Women’s EURO 2022 post-tournament flash impact report, which outlines the initial impacts measured to date.

Dracula Spooktacular Whitby Abbey was illuminated to mark the 125th anniversary of the publication of Bram Stoker’s Dracula

DRACULA 125 YEARS

Abbey in North Yorkshire, the inspiration for Bram Stoker’s W hitby Dracula, was bathed in dramatic illuminations from October 25-31.

English Heritage celebrated the 125th anniversary of the publication of the famous gothic novel by projecting bats onto the abbey.

Whitby Abbey has spent 2022 celebrating all things Dracula – from quests and theatre performances to a record-breaking event. In May, the anniversary of Bram Stoker’s novel was marked with the Largest Gathering of People Dressed as Vampires – 1,369.

Smooth running The London Marathon Events team discusses operational changes and event developments at the 2022 TCS London Marathon than 40,000 people ran through M ore the streets of the capital, enjoying

perfect weather conditions for their 26.2¬mile journey to the finish line of the 2022 TCS London Marathon.

In total, 40,927 crossed the start line whilst 38,156 people passed beneath a new digital finish gantry on The Mall.

The new gantry was one of several new event developments and initiatives that greeted participants. One of those initiatives was Rainbow Row – delivered

by Proud Events – a section of the route which encouraged the LGBTQIA+ community “to bring colour to the event” and celebrated London’s diversity.

Furthermore, assisted wheelchair entrants were on the course for the first time, and the marathon championed its new nonbinary entry policy.

Lisa Thompson, TCS London Marathon event lead at London Marathon Events, was tasked with delivering a smooth event.

She worked alongside James Taylor, start manager, Ben Craddock, finish manager, Sophie Blackett, route manager, and Andrew Smith, operations director, to deliver the new operational elements.

“We always hold a full debrief for each of our events, focussing on areas for improvement for the following year,”

explained Thompson. “In many ways, the 2021 London Marathon was a bit of an anomaly. We were still operating within limitations imposed by the pandemic, which meant we had to deliver operational changes that – thankfully – were not required this year.

“This included showing a negative compulsory lateral flow test result before registration, removing the baggage lorry system, and requiring participants to drop off kit bags at the Running Show at ExCeL before marathon day, and many other changes.”

Some changes introduced due to COVID restrictions remained. For example, London Marathon Events amended the entire start operation to reduce dwell time and a wave start process implemented in 2021 was deployed again to create a better participant experience.

Thompson continued: “One of the huge successes of the 2022 TCS London Marathon was our incredible new finish gantry, which had digital displays on both sides, with the runner-facing side displaying messages of support and congratulations to participants as they finished. In addition, the finish gantry also provided a unique viewing position for hospitality guests.”

SUSTAINABILITY MOVES

The new gantry featured new branding, as the 2022 edition of the London Marathon had a new title sponsor, Tata Consultancy Services (TCS). But it was not the only change.

London Marathon Events actively sought to build on sustainability measures introduced in 2021. Among the key sustainability initiatives for 2022 were fully compostable Lucozade Sport cups, six fully-electric lead vehicles supplied

by Nissan, new mile markers – created by Scaled – made from last year’s event waste and recycled ocean plastic, New Balance finisher T-shirts made from 100 per cent recyclable polyester, finisher bags made from recycled plastic, and dedicated drop zones for empty bottles, which were then recycled in a closed-loop system.

Plus, to enhance sustainability for the TCS London Marathon, London Marathon Events used the ReScore app, a cloud-based application developed for the Council for Responsible Sport by TCS. The app enables event organisers to measure, track, report, and verify

their progress across a broad range of environmental and social indicators for sports events. ReScore will assist London Marathon Events in verifying the marathon’s sustainability progress and help it reach its carbon emission goals.

MINI AMBITION

“The most significant change to this year’s event, and one of the biggest developments in the history of the London Marathon, was the creation of the first-ever stand-alone TCS Mini London Marathon,” Thompson continued. “Historically, the Mini London Marathon featured championship races for the UK’s top young athletes and was held immediately before the London Marathon.

This year, it took place on the Saturday, the day before the TCS London Marathon, and featured events for children and young people of all abilities. Our ambition is to inspire more children to take part in the event, building towards 50,000 children taking part in the Mini London Marathon on the Saturday and 50,000 finishers on the Sunday in our 50th Race in 2030.”

She added: “We have been planning to hold this event on the Saturday before the main event for several years and it was amazing to see it come together this year.

To witness the joy and excitement of the children crossing the world’s most famous finish line was truly special. This is just the beginning, and the event will go from strength to strength over the coming years and we hope it will transform children’s lives in the same way that the London Marathon has transformed the lives of so many adults.”

CHALLENGES

However, despite such successes and new moves, the delivery of the 2022 TCS London Marathon was not without its challenges.

Thompson explained: “It would not be a London Marathon without some unexpected challenges, and we certainly had two big ones this year with the death of Her Majesty Queen Elizabeth II on September 8 and the national rail strike on marathon weekend.

TCS LONDON MARATHON “The sad passing of Her Majesty Queen Elizabeth II, just over three weeks before the 2022 TCS London Marathon, inevitably created issues. With the size and scale of the State Funeral, it was inevitable that key suppliers, contractors, and partners would be required to dedicate time, resources, and services to this national event. This had a knockon effect for us, as it took key people and services away at a crucial point of our event planning. It also meant the postponement of Swim Serpentine, our open-water swimming event in Hyde Park. We, of course, did all we could to support our stakeholders and partners with the planning and delivery of the State Funeral.”

The national rail strike also presented London Marathon Events with last-minute challenges. The strike took place on October 1, the day before the TCS London Marathon and the day of the TCS Mini London Marathon.

The biggest impacts were on schools reliant on the train service to participate in the TCS Mini London Marathon and participants in the TCS London Marathon, particularly those from outside London, planning to travel on Saturday to the Running Show at ExCel to collect their race packs. London Marathon Events ensured all participants were aware of the rail strike and encouraged participants to plan and travel early where possible.

FUTURE PLANNING

For 2023, the TCS London Marathon will return to its usual April slot, which means Thompson and her team have fewer than five months to deliver the next edition.

She concluded: “As is the case after all our events, we now enter an immediate review phase. Given the proximity of the 2023 event, it is even more important that we quickly identify the areas that we need to improve for next April. That is our immediate priority before we turn to the planning and delivery of 2023 – which will come around very quickly!”

vent professionals representing more than 500 UK festivals and outdoor events gathered at the 2022 Sustainable Events Summit to witness the launch of the Green Events Code; new guidance that aims to establish national minimum sustainability standards, targets, and practices.

Developed by Vision:2025, the industry steering group, the code is intended to provide clear standards and shared targets for sustainability that are understood and adopted by the entire outdoor events industry.

The code will focus on the key areas of governance, energy, travel and transport, food and drink, materials and waste, water, and positive influence, and it is based on five key principles: The industry needs to act urgently on the climate crisis, the industry will act based on evidence, the industry must be transparent and report impact annually, the industry accepts that not all climate-positive decisions will provide cost benefit in the short-term, and the industry will strive to make progress year-on-year.

The overall aim is to commit to a minimum of 50 per cent reduction of Greenhouse Gas (GHG) emissions by 2030, with specific targets, including a 50 per cent reduction in fossil fuel consumption at live events by 2025, a reduction of at least 30 per cent in meat and dairy consumption on-site by 2030, and to eliminate single-use plastic by 2025.

with the LGA, the Local Authority Event Organisers Group (LAEOG) and the Institute of Licensing (IoL) to develop an adoption strategy for local authorities. What’s more, the Green Events Code will be piloted as a standard with “pioneer” councils in England, Ireland, Scotland, and Wales.

ADOPTION STRATEGY

The creation of the code is a major positive and the trial will be instrumental in developing best practices. When developing the code, industry stakeholders were in broad agreement that there was a risk of a “lottery” of standards and enforcement if local authorities were left to create their own standards and enforce them.

At the code’s launch, Chris Johnson, chair of Vision: 2025 said that he hoped that the Green Events Code would emulate the success of The Purple Guide and he said it has the potential to be “something meaningful”. However, he also commented that the journey forward is fraught with questions and challenges as the code’s implementation is navigated.

The code has been created following a DCMS Select Committee report – published in May 2021 – on The Future of UK Music Festivals. The report recommended that the Government, the Local Government Association (LGA), and representatives from across the festival sector developed standardised environmental objectives that local authorities must adopt when licensing festivals.

Increasingly, local authorities are creating standards and requirements for events as part of licensing and site permission processes. A key aim of the new Green Events Code is to facilitate consistency and over the next year, Vision: 2025 will work

Cathy Runciman, executive director of EarthPercent UK, told attendees at the summit that the UK event and music industry stands on the brink of an opportunity to show the world that we are leaders. She added: “We need to move beyond minimum voluntary standards and targets. This is an invitation to go further and faster, together.”

THREE AREAS OF FOCUS

The Green Events Code has been financially supported by the Association of Independent Festivals (AIF), Superstruct, and Festival Republic, and was developed in close consultation and collaboration with LGA, IoL, LAEOG, UK Music, Live, and the Event Industry Forum.

Vikki Chapman, head of sustainability at Live Nation UK and Ireland, spoke of the organisation’s involvement in the development of the code and said she

hoped that the code could be trialled with a local authority in 2023.

In 2022, Live Nation, including Festival Republic, focused on three large sustainability projects. For example, all Festival Republic’s festivals used HVO Green Diesel. Chapman and her team audited the company supplying the fuel using the Renewable Fuels Assurance Scheme and – using DEFRA conversion factors – worked out that using HVO Green Diesel reduced net GHG emissions by 90 per cent.

2022 also saw Festival Republic work with its food traders to calculate the carbon footprint of every meal served at 10 festivals. In 2021, Chapman and her team worked with the University of Gloucester to calculate the carbon footprint of meals sold in street food areas. This work was done on a small scale, but Festival Republic ramped up the project for 2022. It chose to

work with the London School of Economics and devised a traffic light system (green = low carbon) that was displayed on menus alongside allergen information. It was a large piece of work that required a huge team effort to gather data from traders, but the “food-print” information provided on the menus enabled festivalgoers to make informed choices about the food they ate.

Food-related emissions make up between 15 and 35 per cent of GHG. This was a key driver for the carbon footprinting of meals initiative. In total, the team worked with 315 food traders and measured the carbon footprint of 1,537 meals and Chapman plans to do more work on food footprints in 2023.

Finally, Festival Republic introduced ecocampsites at Reading and Leeds festival, which required each camper to respect their fellow campers and the environment; and leave the campsite as they found it.

SUSTAINABILITY WASTE MANAGEMENT AT KENDAL CALLING

Again, this initiative was well-received, and the campsites will be expanded in 2023.

BEHAVIOURAL CHANGES

At this year’s Royal Parks Half Marathon, LimeLight Sports introduced a plantbased food village to encourage runners and spectators to think about how their food choices impact the environment, and Kendal Calling required all traders to provide a vegetarian/vegan choice as a part of their menu.

From the Fields, organiser of Kendal Calling, worked with betternotstop to create a sustainability programme called Leave Nothing But Memories.

The campaign ensured Kendal Calling embarked on an extensive programme of sustainability initiatives incorporating festivalgoers, staff, traders, and artists to minimise their environmental impact at this year’s festival.

More than 20 members of staff studied and supported the behavioural change in audience, sponsors, and traders at Kendal Calling. Betternotstop has reported that more than 98 per cent of tents were taken home and 211 hours were spent litter picking.

Andy Smith, co-founder of Kendal Calling, said: “The afterglow of Kendal Calling 2019 was tarnished by the abandonment of tents on an abominable scale. An unconscionable number of tents – estimated at more than 2,000 – had been left behind by revellers and destined for landfill. Tent abandonment is an infamous problem which plagues the UK festival scene and one which contrasts alarmingly with Kendal Calling’s home on the beautiful Lowther Estate. It was clear we had to pull together and tackle this horror.

“Thus, we launched the Leave Nothing But Memories campaign – and the results were spectacular. Walking through the campsites on Monday afternoon was the difference between night and day when compared to previous years.”

GUIDANCE FOR CREW

Kendal Calling reported zero food waste from the festival – with leftover food being distributed across local food banks, recycled within compost, or taken away from the festival and distributed in other methods by food traders, whom all signed a Kendal Calling Eco Pledge. This pledge incorporated all attending the festival and ensured that everyone supported the vital campaign and helped to reduce damage to the festival environment.

Kendal Calling has demonstrated how UK festivals are reinvigorating the sustainability conversation within the festival market, pointing to essential but simple steps that can be easily implemented.

Similarly, Pauline Bourdon, head of sustainability and social cohesion at Team Love, organiser of Love Saves the Day, has worked hard to address sustainability at the festival.

This year, the festival moved to a new site – Ashton Court, Bristol – and has a licence to host 39,999 festivalgoers. Whilst Bourdon had previously measured the festival’s power usage and other data sets, a new site meant she had to start again.

This year, she has measured power usage and monitored waste streams, and she has assessed audience and crew travel too. Furthermore, she has worked with crew this year to ensure they understood Team Love’s stance on sustainability. She explained: “A student did her dissertation on Team Love and our events, and she looked at crew involvement. She found a need to communicate our ethos to our crew so that they could understand us better and we could deepen our work.”

Now, Bourdon has created sustainability guidelines for the crew and for 2023, she plans to do more on crew and artist transport and travel. Plus, she plans to build on a campaign that Team Love started in 2022, which encouraged festivalgoers to purchase their festival outfits in a greener way, such as from local and sustainable clothing brands.

CAPTURING DATA

Gemma Marks, client services director at LimeLight Sports, has had a lead role in developing the organiser’s sustainability strategy. Like Bourdon, LimeLight created the strategy and guidance to provide the team with the key questions and considerations to make better choices for people and the planet.

SUSTAINABILITY This year, LimeLight implemented several new sustainability initiatives. For instance, it developed a questionnaire for all suppliers to help capture data to enable the team to calculate the carbon footprint of each LimeLight Sports Club event, and it is working with A Greener Festival to help calculate each event’s carbon footprint. This will allow LimeLight to set a benchmark as it aims to be carbon neutral in 2023.

Marks explained: “In order to be carbon neutral in 2023, we have entered an exciting partnership with Carbon Char Store. This will be industry-leading and hopefully a great way of educating our audience on carbon removals. From a business perspective, we have a travel spreadsheet, which is like a timesheet, that the team completes. All travel to the office/ meetings is captured daily to understand the carbon footprint.

She continued: “Also as part of the registration process for the Royal Parks Half Marathon, we gave participants the opportunity to opt out of a finisher t-shirt and plant a tree instead. This was supported by working with an eco-friendly t-shirt supplier that could produce shirts more locally with shorter lead times (six weeks), enabling us to order the quantity and sizes we needed. Therefore, we reduced waste and 26 per cent of participants opted to plant a tree instead of receiving a finisher t-shirt.”

SHIFT IN ATTITUDE

The above examples are demonstrative of the great efforts that several UK event organisers are going to in order to make their events more sustainable. However, more needs to be done if the UK is to hit climate goals and targets. It is quite evident that our environment is heating up. You only have to look at the extreme weather that the UK experienced this summer and the impact that it has on crews during the build, and customers on live event days.

Future Festival Tools launched at the Sustainable Events Summit – it aims to be a valuable resource for festival and event professionals that want to take meaningful environmental action. Chapman agreed that more work remains to be done around fuel sources and plant equipment, for example, and that she and her team will continue to shift as many events as possible to the grid. She agreed that there has been a big shift in attitude towards sustainability and event professionals are stepping up. If the UK outdoor events industry is to lead the way in terms of sustainability, the Green Events Code could be instrumental in creating a positive and lasting framework in the absence of legislation.

Securing security This season, the events industry was dogged by a lack of security and stewarding personnel. But what can we as an industry do to help secure security talent?

T

his year, the events industry has been dogged by staffing shortages, especially security staff and stewards. A lack of skilled staff, a “sea of jacket fillers”, and dubious variations on SIA badges have all been witnessed by experienced event professionals during the height of the summer season. In some cases, UK event organisers are being charged up to £27 an hour for an SIA-licensed security professional but are being provided with someone who is essentially a steward and who cannot speak English.

It’s a worrying situation, particularly as the challenges of 2022 show no signs of waning. Peter Harrison, managing director of FGH Security, Eric Stuart, chair of the UK Crowd Management Association (UKCMA), and Zac Kelly, director at Ultrasec Security, all agree. The quality of staff is absent, competition is rife, roles are being filled by inexperienced staff, and trained security staff are undervalued by the organisers and promoters that hire them. Plus, there are several cash-in-hand “security” firms that are promising the world and delivering nothing, which is tarnishing the services of reputable businesses.

Kelly explains: “The marketplace is quickly becoming a race to the bottom on price again. After COVID, it was expected that people would finally see that the cost of good quality security and safety teams

would increase. Sadly, this happened for a short period but is rapidly changing with event organisers trying to cut costs as much as possible.”

Stuart concurs. He states that promoters are desperately trying to suppress costs, against the backdrop of a cost-of-living crisis.

Stuart says: “Prices of everything are through the roof so promoters are raising ticket prices but desperately trying to suppress costs as well. The trouble is everyone’s costs have gone up. Staff need more money to encourage them to stay in the industry, and offices cost more to run. It is relentless.

“Promoters also seem to be leaving it later and later to book security/stewards. I fear some will leave it too late and rely on previous suppliers, who by the time they are ready to pay deposits, will be booked elsewhere. The decent companies in security/stewarding had a tough year getting staff and will not want to over-commit.”

WORK MIRACLES

Stuart says that finding staff has been a huge challenge for security companies, but the quality of staff has been absent.

He continues: “I do not want to knock an industry that is doing very well to cope with the demand, but you cannot turn off a tap for two years and then expect it to run smoothly when you turn it back on.

My best guess is we have another couple

ERIC STUART of years like this one unless something extreme happens; either a huge jump in wages to make it viable for good quality people to join the industry or (hopefully not) something bad happens at an event and there is a refocus by the Government on this industry.”

Kelly agrees. Organisers are not booking essential security and stewarding staff until the last minute and are then expecting security companies to “work miracles”. Harrison says that the security industry must be able to compete with other employers. He comments: “Why would anyone invest eight days of their time, and their money, in getting an SIA license or spectator safety qualification, for the same (or sometimes less) money than Costa Coffee or Tesco? The security sector needs business licensing, and it is back on the agenda. This would ensure only competent people could run a company involved in public safety, only a qualified person could call themselves a crowd manager, and that the right training is given to our front-line teams.”

Kelly would like organisers to be more proactive and offer – and fund – training days, and site induction days. He continues: “They talk about staff who aren’t experienced, don’t know the site/venue layouts, haven’t worked there before, and who aren’t trained etc. But they won’t fund training days, site induction days, or additional hours for CPD. They want people who are security manager quality for unqualified steward rates, and it simply does not work.”

Ultrasec Security provides security services to Ironman; the partnership is a successful one, says Kelly. “Supplying between 150300 staff per event is obviously a massive challenge,” Kelly explains. “But the Ironman team have been understanding about rate increases, understanding about staff welfare, and understanding about the need to increase the number of supervisors to ensure the staff have a strong management team to support them due to the lack of experience in the industry. They also ensured that the whole management team had a full day on-site to ensure they knew their areas like the back of their hands. We create a new crowd management plan every year for each event. And this year, we had some dynamic changes and challenges, but because Ironman incorporated us into their team, things worked much smoother.”

IMPROVE CONDITIONS

Kelly suggests that organisers need to engage with specific crowd safety/management consultants and specialists to ensure that the knowledge, experience, and expertise are on site for when the security/stewarding team arrive; and are not experienced. Engaging a crowd management specialist that can make educated dynamic decisions is “going to be the key to a safe 2023”, he says.

IS THERE A SECURITY CRISIS?

Also, there needs to be an “understanding” within the sector that whilst agreed, costs might change.

Harrison concurs. Everyone should expect to pay more for staff and organisers should choose to work with an SIA Approved Contractor or a UKCMA company so that suppliers can be judged on metrics and not just price.

Currently, FGH Security is in the stages of renegotiating with many loyal customers.

“They have to be prepared to be paying at least 10 per cent more than 2022; just to keep up with CPI inflation and the Real Living Wage increases,” explains Harrison, who is supplying personnel to Hyde Park Winter Wonderland, Christmas at Blenheim Palace, and Enchanted Christmas at Westonbirt this winter.

Stuart is of the same opinion. “Book now and expect to pay more,” he comments.

“If companies know now what they face in terms of peak demand, they can begin to recruit and train people. But most importantly, pay due diligence to the companies you book. If the company only came into being in the few months before you booked them, who are you

dealing with? Have they ‘phoenixed’ from a company declared bankrupt in the last few months, leaving staff unpaid and having failed to attend gigs they said they would?

Get on social media and search around: Are they one of the companies offering ‘cash in hand’ to anyone they can recruit?”

But what other advice does Stuart have for the industry? What can we as a sector do to attract great talent, and encourage stewards to come and work on events and festivals? Stuart concludes: “Be more honest. It’s a tough job that most people do out there – long hours, poor welfare facilities, and poor pay. We would probably reduce recruitment if we said that but, it might increase retention. There is no point in recruiting people, training them, and then putting them on an event site, which is not what they thought it was going to be.

“We need to improve pay, welfare, and the way we train and support people. It has been said many times, but there is no real ‘career path’ for many parts of our industry, promotions are rare and rely on people leaving roles but that is the nature of the business and people need to understand that.”

Experienced events professionals visited The Showman’s Show to check out new products, network, and prepare for 2023

T

he beauty of an industry trade show is that it’s not only a good way to source suppliers and discover ideas, but it also provides you with the opportunity to bump into old contacts and make new connections.

Thousands of event organisers poured through the doors at Newbury Showground for The Showman’s Show 2022 [October 19-20] to do exactly that; find new contacts and products to make 2023 a little bit easier.

Johnny Lance, event director of The Showman’s Show, explained: “We could gauge from exhibitor and visitor engagement in the lead-up to this year’s show that there was a real desire for the industry to come together. For many, it was important to discuss the events of the summer, the challenges faced within the supply chain, rising costs, staff shortages etc. but also to look forward and begin putting plans in place for 2023.

“This year’s show really delivered on all fronts. There were over 100 new exhibitors, product launches in spades, and a 25 per cent increase in visitor numbers from 2021, taking us really close to pre-pandemic levels.”

VISITORS ARRIVE AT THE SHOW “The show is well-timed,” explained Dutton, as he chatted with StandOut on day two of the event. “We must start procurement earlier and earlier each year, so it’s a great time for us to come and speak to the supply chain.”

Dutton and Holdoway visited the show in 2021 but didn’t have a “hit list”. This year was a different story. Dutton continued: “This year, we had a hit list, we reached out to suppliers before we came – with a spec in most cases – and scheduled time with suppliers to have a debrief about this year’s events.”

Holdoway and Dutton were looking for fencing, structures, traffic management, and ground protection solutions for several events that they produce, including Tramlines and Truck Festival. They wished to be productive and efficient, as they walked the aisles at the show.

BUSY AISLES Likewise, Jasmine Hill, operations manager at Brand Events, was on the hunt for new structures and big top suppliers, as she wishes to introduce more colourful and different shaped structures to CarFest South, especially as CarFest North will not take place in 2023.

Similarly, Jennie Turner-Maskell, festival director of Lechlade Festival, visited The Showman’s Show because she was disappointed by some of the suppliers she used at this year’s event. She and her team were looking for fencing, toilet, and EV charging providers. And, Aisha Francis, senior events manager at Proud Events, was looking for toilet providers, trackway suppliers, and staff welfare and accommodation facilities. She said: “I haven’t been to the show for about four or five years, as I am usually working on

our Lightopia events. But I decided to take a day out of the office and meet some new suppliers. I am interested in staff welfare and accommodation as some of the events we organise are not always close to local amenities. And I wanted to meet new suppliers and get some quotes for next year.”

NEW PRODUCTS

It was just one of many new items on display. Sleep Space Hire is a stackable sleeper cabin that consists of two separate single bedrooms, a shower/ toilet room, and small kitchen. It is perfect for event organisers looking to provide their teams and crew with private and comfortable accommodation during long build periods. The company – founded by Sarah Butcher and Nicki Wordsworth – has 150 in its fleet but has the capacity to grow the fleet quickly if demand is there.

And finally, StandOut checked out Event Traffic Control’s new ANPR system. Scott Dow, founder of Event Traffic Control, said: “For 27 years, we’ve been stood in fields with rolls of car parking tickets, which take time and can cause delays. Our new ANPR system enables an organiser to pre-sell car parking tickets. The organiser provides us with car registration details and the ANPR system flags up vehicles that haven’t pre-paid for parking. That car can then be pulled aside. This system makes things quicker, it requires less staff to manage the queues, and therefore, there are fewer costs for events.”

Jeremy Lance, also event director of The Showman’s Show, told StandOut that attendees travelled from the UK, Europe,

South Africa, and Australia to check out the show. Visitors included representatives from End of The Road Festival, IMG, Royal International Air Tattoo, Festival Republic, Wimbledon, Goodwood Motorsports, London Marathon Events, EnTEEtainment, Live Nation, Formula E, National Eisteddfod of Wales, and Cheltenham Festivals.

Johnny Lance concluded: “This year’s show had all the ingredients that you need for a successful trade show that understands and serves its sector.

There was a healthy balance of new and previous exhibitors, industry staples and innovations, and some good content in the form of the Sustainable Event Summit which shone a light on our environmental impact and what we can do to minimise it.”

The Showman’s Show 2023 will take place on October 18 and 19.

Trackway experts discuss best practices, event trends, and industry challenges

S

ee Monster, a decommissioned North Sea offshore platform that transformed into one of the UK’s largest public art installations, opened to the public this autumn. The installation – developed and engineered by NewSubstance – could be found on Weston-super-Mare’s seafront, wowing thousands of visitors who had come to gawp at the 35-metre-high structure, consisting of a 10-metre-high waterfall, and kinetic wind sculptures.

However, to create the installation, the 450-tonne rig had to be moved into position. After a five-day voyage around the British coastline on a flatbed barge, See Monster was transported up the beach by self-propelled modular transporters onto a 50m x 50m support platform comprised of more than 200 of TPA’s heavy-duty aluminium panels.

This was one of TPA’s more unusual projects of the summer, which also saw the temporary access provider install heavy-duty aluminium panels and pedestrian walkways (800 metres) at Royal International Air Tattoo (RIAT).

to cater more for customers with additional access needs. TPA’s TerraGuard panels were installed and helped guests to negotiate the terrain between marquees. In addition, TPA’s Trax panels provided more than 7.5 kilometres of temporary access roads in multiple locations, including around the main grandstand, car park access lanes, and three off-site campsites.

David Walkden, managing director of TPA, said: “Our largest event this year was the Royal International Air Tattoo at RAF Fairford, Gloucestershire. This was the first year we utilised our new pedestrian walkway system called TerraGuard, which proved to be a very effective system for pedestrian access.

“We also had one of the driest summers on record, which has impacted the demand for trackway. We can’t predict the weather in the UK and event organisers must plan for the worst, so we did find ourselves holding stock for wet weather conditions that were ultimately not required. On the plus side, the panels that were installed came back from the site a lot cleaner than usual.”

Indeed, the hot weather had a huge impact on the events industry, but a lack of resources had an even greater effect.

TRACKWAY supplied CarFest and Creamfields with kit – said that transportation and labour costs have increased, controlling the direction of the market. Geoff Gorringe, head of events at Sunbelt Rentals, concurred and believes that this will be a challenge moving forward. He said: “The general labour issues continue within the market, and we’ve found at times we were delayed on site as other contractors struggled to secure labour to remove their own equipment.”

Gorringe stated that Sunbelt Rentals is seeing a return to “normal business” with 2022 marking a return to what would be considered a normal and full event season.

“Our most popular product continues to be our fifth generation aluminium Lion panel, which dominates the temporary access market,” explained Gorringe. “We believe that event organisers request this panel because they know they can rely on it being installed correctly and that its performance will exceed expectations.

Its overlapping connecting system with recessed bolts and plates, and serrated finish, offer greater traction for pedestrians, which makes it a safe bet for event organisers for both vehicular and pedestrian access.”

Nick Russell, business development manager at Autotrak, has quadrupled stock levels of its plastic heavy duty (PHD) product that launched in 2021. Russell said: “A lot of clients like it because there are no trip hazards and it’s great for backof-house areas.

“So, it’s a case of no new products for us this year but increased stock of the products that work for us and our customers.”

This year, Autotrak worked at WOMAD, Cornbury, Greenbelt, and Cropredy Festival. Russell stated that lots of customers are securing contracts early for 2023, aware that they cannot risk not getting hold of trackway.

“It’s going to be harder if you don’t manage yourself and your requirements,” said Russell, adding that he hoped organisers would be more savvy and book infrastructure early.

Mark Pruce, director of operations at Cap Trac, agreed. The company has many bookings for 2023, especially for stadium floor coverings, and believes that “urgency” will flood the market as clients will look to secure ground coverings.

2022 was Cap Trac’s first full year out on the road with its new TerraGuard product (launched by Cap Trac in 2021) which is ideal for covering sports pitches for concerts. This year, Cap Trac worked with EnTEEtainment, providing pitch over at cinch Stadium at Franklin’s Gardens (home of Northampton Saints) for Pete Tong and The Heritage Orchestra. Pruce said that Cap Trac still has pockets of availability for summer 2023 but the events calendar is quickly filling up.

Gorringe urged organisers to plan. He said: “The last two years have shown the industry that there isn’t an endless supply of equipment, we’ve witnessed many of our customers coming to terms with this. By engaging with us at an earlier stage in the planning process, not only can we support customers at the initial event design using building information modelling, but we can also ensure the steady supply of trackway, lighting, welfare, power and much more.”

He continued: “Sunbelt continually listens and engages with our event customers in regard to what they require from our products and services to successfully run their event. As a business, we’ve made continued investments in greener solutions that support our clients

to go greener faster but that also provide efficiencies and cost-saving benefits.”

SUSTAINABILITY

According to Gorringe, sustainability is a theme that is high on the agenda for many of clients, as is ESG (environmental, social and governance). Walkden agreed.

He added: “The environmental impact of supplier operations is a key aspect of many event organisers’ briefs. Installing such large volumes of infrastructure on a temporary basis will inevitably have a significant carbon impact and the supply chain is rightly being challenged to continually innovate to find ways in which to not only reduce their impact but also to demonstrate it.”

To address this, TPA is launching a carbon calculator that enables customers to measure the carbon impact of installing trackway access on their site. The calculator will also compare the CO2 impact of the trackway access with installing a stone access road. According to TPA, installing trackway access is – on average – more than eight times more carbon efficient than the equivalent stone access road.

Walkden commented further: “As part of our drive for more carbon efficient solutions, we are introducing a new fourmetre wide trackway panel. Where ground conditions are particularly challenging, most suppliers in the market will install access at six-metres wide, utilising two parallel runs of three-metre-wide panels. The four-metre panel increases the dispersion of weight over a greater

surface area making it ideal for poorer ground conditions, halving the number of panels that need to be installed and delivered to site. This is a much more costeffective solution.”

Yet, the four-metre panel and carbon calculator are not TPA’s only developments.

“As part of our ongoing digital transformation, we have developed the TPA SitePlotter app, which enables our trackway specialists to create bespoke site plans during a site visit to enable the customer to visualise the solution and amend it in real-time, reducing the back and forth that often happens in the design stage,” said Walkden. “The app automatically calculates the product volumes from the drawing and is used to complete risk assessments, site questionnaires, scope of works, route to the site, and enables the user to add site

photos. When the survey is complete in SitePlotter, the hire desk is notified and can access all the information immediately to issue a quotation. The system also generates a job pack that ensures everyone involved in the project is informed of exactly what has been agreed on site which leads to a much smoother event build.”

Alli Scott, an event professional and freelancer, has been working in volunteer management, wellbeing, and crew welfare for more than 10 years. Here, she discusses changing attitudes to staff welfare and why it’s time for organisers to have real conversations about wellbeing

T

he industry will always have its rotten apples who think staff welfare is a side joke, but over the last 10 years, I’ve seen a lot of change at the top,” says Alli Scott, an accessibility and crew wellbeing consultant.

Scott has been working the festival circuit for 20 years and “fell into” welfare.

She has been working in volunteer management, accessibility, wellbeing, and crew welfare ever since and now works on

some of the most respected festivals in the country, including Glastonbury, Green Man, Big Love, and Standon Calling.

When StandOut chats with Scott, it’s clear that she has a real passion for looking after people and it’s the variety within her role that she enjoys so much. “I never know what’s going to happen, but I know I can always make a cup of tea, and sit down and chat with people,” she says, candidly. “I’m usually found checking people have had

CHANGE IN ATTITUDE

More recently, Scott says there has been a shift in attitude towards staff and crew welfare.

Management teams and owners are starting to see the benefits of a happy workforce.

She explains: “In the last five years, I’ve seen the attitude totally change. The empathy and levels of genuine care going into nurturing a healthy workforce are now magnificent!

“Post-COVID, there is a much bigger understanding of how a community can bring people together and what isolation can do. I’ve seen cranky site crews throw parties and hug people, and I’ve seen volunteers walk in through the gates and cry at the thought of a tent full of sofas. People want to be comfortable and happy!”

However, this summer was an “eyeopener” for Scott. The pressures of the event season were evident, and the stress was clear for everyone to see.

This summer was hard work, emotional, and overwhelming for many event professionals. This year, more so than any other year, it was paramount that Scott – and many other welfare professionals –

were back in a field making sure events crew and volunteers were taken care of.

But not everyone gets it right.

“Without naming and shaming, there have been a few new events this year that have made the mistake of thinking that because they can do one-day events quite well, they can translate that to a four-day camping festival,” she comments. “I would love to never see a festival site without water again,” she adds. “My experience made me go home, turn on the taps, and make a donation to a refugee community in Greece where showers are a luxury.”

SEE A NEED AND FILL IT

According to Scott, fully understanding your audience and the nuances of the event you are delivering is rule number one. Thankfully, her recent bad experience is not a common one. She continued: “Over the years, I have had lots of lovely small interactions, which have made me feel good about a festival.

This year especially, I saw events say, ‘thank you’ to their crew not with a crate of beer or a meaningless donation to a distant charity, but by sitting down over dinner and having a laugh, by having a dog or family-friendly build and by buying paddling pools for every team during the hot weeks!”

Such moves are important if crews are to feel like they are heard, valued, and appreciated. This year was tough, and many industry professionals believe that 2023 will not be without challenges. Scott argues that costs, wellbeing, and retention will be the big issues – as an event organiser, can you afford to organise an event, are you able to manage the wellbeing of your build and operational teams, and can you retain your best crew?

Scott explained further: “In terms of the welfare, mental wellbeing, and retention of crews, I feel organisers need to make space and time for a realistic conversation

Just accept that it exists and look at using someone who isn’t trying to make operational and financial decisions while organising catering and a SAG meeting!

“See a need. Fill a need. That’s the motto I’ve been banding about for years.

If you walk into your crew catering and see

exhausted, emotional, hungry people who don’t have time to queue or can’t eat the food, you’d change it wouldn’t you?”

So, what’s Scott’s one piece of advice for event organisers looking to improve their welfare provision? “Get someone to talk to the staff and bring back that information to you,” Scott concludes.

“Give people the space to talk openly without fear of job loss and you will find out all you need to know.”

Hay there Hay Festival’s new CEO Julie Finch talks to StandOut about her future plans and vision for the much-loved festival to Julie Finch, the role of leaders in A ccording the cultural sector is not only to steer through

difficult times, but it is also to nourish, develop, and deepen resilience to meet the demands of society, and the realities of external pressures. Her experience in shaping organisations based on a longer-term vision will be enormously useful at Hay Festival, as she guides the organisation through day-to-day operations in her new role as chief executive officer.

Finch joined Hay Festival in August 2022. She was already familiar with the brand as a regular attendee at Hay Festival events; so, the opportunity to steer this “exciting” organisation was something she could not resist.

PRUDENT PROCUREMENT

Finch attended Hay Festival, which took place from May 26 - June 5, 2022. It was a beneficial visit. She is keen to make progress and plan “from a position of evidence” and is running an open consultation on several themes to decipher and discover what it is that Hay Festival audiences need and want.

“This is a significant piece of work, but extremely valuable in assessing how we take forward the festivals of the future,” explained Finch.

Finch believes that all cultural organisations are looking to find efficiencies. However, cost-cutting is not the only way forward. She would like to determine how Hay works, with whom, and to what end. Currently, the festival’s core team stands at 16 and expands with each festival. This is an already efficient way of working so efficiencies will come by “repositioning the whole of the operations” within the organisation. Value for money, smart procurement, and attention to finance will be key.

“The cultural sector at large is facing huge challenges; Hay Festival is no different,” commented Finch, as she highlighted the importance of close supplier relationships. “To continue to operate, we will procure services prudently, maximise our ability to fundraise, and minimise the impact of the price hikes on the charity by factoring in the scale of our operations.”

HAY MAGIC

By the end of 2023, Finch hopes that Hay Festival will be repositioned around a new vision and strategy that will outline a future roadmap for the organisation.

As a result, she believes that the Hay Festival brand will enter a new era, globally. She hopes to broaden the appeal of the festival to families, children, and young people but says that the “magic” of Hay Festival will still be experienced by audiences but simply intensified and designed to reach wider and further.

Finch concluded: “Having worked in this industry for many years in different roles, it is clear to me that Hay Festival can be seen as a beacon for events. We must explore innovative solutions to balance audience engagement with environmental impact, engage with and provide access to audiences from a wide range of lived experiences, and ensure that the professionalism of the events industry is upheld. My leadership role will be focused on these principles in the industry.”
