vents are strange and complicated animals. As events professionals we are fortunate to know, understand and appreciate their power. But I do not know of any other medium which has the ability to leave you elated one minute and deflated the next. Boris Johnson and the Mayor of London’s office promised a summer like no other – the Olympic-sized circus, which we have not only been fortunate to witness but also organise, cemented the impact that an event can have over an entire nation. London 2012 is proof that the power of events should never be questioned. Their strength and ability to visibly and physically move a population, spanning the generations, is mindblowing, and I was personally choked to witness the bonkers and very British spectacle that has been the 30th Olympic Games. Two days before Danny Boyle’s vision was unleashed upon the world and I found myself in the audience for the opening ceremony’s final dress rehearsal. Like a kid at Christmas, I watched the layers of wrapping paper unfurl to reveal a box of British delights. For two days my lips remained sealed, and for someone who lives and breathes events, that was hard! The opening and closing ceremonies were a celebration of people – British people and British legends that encompassed moments of British history that made us who we are today. These moments were brought alive by our industry and so when you’ve all had time to sit back, take stock and breathe, be sure to raise a glass and say, “we did that”. And smile. Now, I only hope that we can keep the momentum going – as Siobhan Sharpe, head of brand, London 2012, Perfect Curve, would say: “Let’s totally rock this shet.” Happy reading,

NEC introduces new parking products and starts £2m upgrade Customer research with visitors and exhibitors has led The NEC, Birmingham, to undergo a number of major improvement works including new car-parking measures, pre-booked parking options and special exhibitor car parking spaces in close proximity to the halls. The major summer upgrading works that are taking place, costing more than £2 million, are aimed at further enhancing the customer experience and also include replacing Hall Two’s heating and ventilation units as part of the venue’s commitment to sustainability, significant security upgrades, recovering of the LG Arena’s roof and work on the flooring of many halls. The new parking products are designed to provide a hassle-free customer experience to those visiting the venue, and include guaranteed NEC Express parking close to the event and designated Exhibitor Advantage parking for exhibitors. There will also be an increase in the cost of standard parking from £8 to £10. Kathryn James, managing director, the NEC, said: “We acknowledge that it is difficult for visitors to accept price rises, especially during these difficult economic times, but these changes are needed in order to make these investments to ensure
our venue offers our customers a great experience.” NEC Express allows customers to preplan their visit with a guaranteed parking space, close to the show they are visiting, at a cost of £20 per day. This will be in a designated parking area away from the main car parks which means it will be easier to exit the venue at the end of the day, reducing queuing time when exiting busy shows. From September, 12 new on-site coaches are also being introduced to improve journeys from the car parks and around the site, and from September 1, 2012, disabled parking at the NEC will move from being free of charge to costing £10. Exhibitors are also set to benefit from a new parking product, Exhibitor Advantage which will provide a guaranteed parking space in designated zones behind each of the halls – in direct response to exhibitors’ requests for their own parking areas with easy access. It will cost £50 per day.
Confex and Live Experience plans revealed UBM Live has revealed plans for International Confex and Live Experience, formerly IOEX. Jonny Sullens, portfolio director, UBM, and James Samuel, event manager, UBM, told Stand Out that Live Experience will be integrated further into International Confex so that the event is seen as a whole show that encompasses all aspects of industry. UBM Live has plans to double the size of Live Experience, increasing the number of dedicated attendees to the event, and is looking at visitor flow and the floorplan. Sullens explained that the new name replaced a “clunky” sounding IOEX and that Live Experience gave a clearer message to suppliers and buyer. Feedback from exhibitors at the inaugural IOEX pointed at a desire to be included more in the International Confex set up. From October, UBM will look to tour a Confex roadshow to promote the show and engage with buyers.

sit on a train leaving London Marylebone and as it pulls out of the station the carriage erupts. Commuters are streaming live commentary to passengers who huddle round tiny iPhones. Cloaked in Team GB colours, the passengers cheer, as they watch a flurry of athletes chase their dreams before they turn to swap sporting stories and ask “what have you been to see today?”

On a “normal” day in commuter-ville such questions would be considered an intrusion of privacy. Yet, during these past two weeks, such a scenario has been commonplace. Forgive the cliché, but sport really is a powerful medium, one which can unite communities, nationalities and even strangers on the 19.27 to Aylesbury. The greatest show on earth has united a nation. It’s ignited the inquisitive natures
within the most sedate characters who would never have dreamed of asking a complete stranger for an update on the latest medal situation. In a press conference, Jeremy Hunt hinted that the UK is not known as the most friendliest of countries but London 2012 has dispelled that criticism. Who knew that so many happy, smiley people could grace the streets of London, and as important as the

new infrastructure is, this is surely a legacy that should be taken forward. Tessa Jowell, Boris Johnson and Sebastian Coe have, in interview, regularly referred to London 2012 as the people’s Games. In the beginning, when London 2012, was a mere blip on the distant horizon, you would not have been alone in thinking that “our Games” sounded a bit twee, as though it were a pipe dream.
But, the reality is that it has been about people – their stories, their struggles and their successes, something that could be said both of the athletes and the organising teams. Yet, whilst the Olympic Games have provided a period for the athletes to shine, it was the struggles and the commitment of the events industry that created, built and delivered a platform upon which Jessica Ennis, Mo Farah and Sir Chris Hoy could
Team GB’s physical journey to London 2012 began long before July 27 some 115 miles away in Leicestershire at imago, based at Loughborough University. Team GB’s preparation camp opened its doors to 542 athletes, creating a closed environment that would allow them to concentrate on their sporting goals ahead. Stand Out is greeted at the venue by swimming legend Duncan Goodhew, who explained that creating an environment where an athlete can prepare to go out onto the field of play and be the best in the world is paramount. It involves removing everything that would stop an athlete from achieving their goals so that they can feel the size of the weight of support behind them. Imago is that base, and is where all of the athletes come to pick up their London 2012 kit. The Team GB preparation camp not only features essential training areas but also an adidas kitting out zone – 170,000 pieces of Stella McCartney-designed kit in 23 different sizes and worth £2.5 million have been stored behind closed doors. Each athlete gets 67 different pieces from lounge wear to sunglasses and sweatbands before they head to the Next area to receive their London 2012 formal wear. kitting out experience, has been overseeing this project since August 2011. “Team GB is using over 4,000 square metres of space – our Babbage and Stevenson lecture rooms have been transformed by adidas and Next has taken over our Marconi and Kelvin suites.” UPS, adidas, Next and BP are on-site, creating areas for each athlete to experience. BP, working with KBW, has created a Fuelling the Future experience. Like all feature areas, the BP experience has taken some time to build, with Barber overseeing the load in and working alongside Ashley Jacoby, in charge of Team GB operations. For six months, imago and Barber have also worked with Jenny Pearce, Team GB’s nutritionist to devise a menu for the athletes – it operates on an eight-day cycle so that specific sports teams get the best nutritional values when they visit the venue. And, a strict “germs cost medals” campaign is in operation – a member of staff with even the slightest hint of a cold is removed from front of house duties to stop the contamination of athletes. It’s a serious business, but one that is necessary to ensure Team GB is prepared for the greatest show on earth.
equivalent to 12 Olympic-sized swimming pools, 500 speakers and 50 tonnes of sound equipment used in the million-watt PA system – double the amount of speakers on the main stage at Glastonbury, 40,000 recycled plastic water bottles and 10,000 recycled plastic bags were incorporated into the costumes, a 25-tonne flying system – that’s equal to five elephants, 965 drummers, and a volunteer cast of 7,500, which took part in a total of 248 rehearsals at two east London sites. The two parachutists featured during the Happy and Glorious Bond segment were Gary Connery (The Queen) and Mark Sutton (James Bond). Connery is a professional stuntman and base jumper who recently leapt from a helicopter at 2,400-feet wearing a winged suit, landing in a pile of boxes. The ceremony also utilised new technology – the stadium featured 70,799 audience pixel paddles, which were attached
to each seat. Each of these panels has nine LED pixels – there are nearly 640,000 in total – which are controlled by a central computer, connected via 317 kilometres of cable. The full colour pixel paddles have a resolution five times that of HDTV and a height of 413 feet. Dimensions so great that it took a team of 40 almost two months to install the system. And three people spent 40 hours lining up the images to the irregular shape of the stadium’s seating bowl. Crystal, official digital imaging services supplier of London 2012, created the animated visual elements of the opening ceremony, extending director Danny Boyle’s vision beyond the stadium’s field of play. Digital flames also engulfed the audience, intensifying Prodigy’s Firestarter track and the birth of the Internet saw Tim Berners Lee’s neural network extend beyond the boundaries of the Olympic Park. The technology swiftly transitioned between segments. But it was not entirely plain sailing. Paul Hughes, managing director, Xtreme Action Events, project managed the dove bike sequence that saw last minute changes just one week before the big day and the opening ceremony. Hughes explained: “I was contacted at the end of October to co-ordinate a bike segment using BMX and trail bikes. I was asked to get the cyclists together and project manage the entire segment.” Hughes held auditions and found 200 keen cyclists to participate in the event working to a brief that included 75 “dove” bikes, 50 BMXs and also fire bikes. “One week before the ceremony, we canned the BMXs and fire bikes.” The ramps had been ordered but that was tough luck.
Glorious production Almost 27 million people tuned into the BBC on July 27 to watch a £27 million Olympic opening ceremony that showcased British film, music, history and technology. The ceremony, which has been described by many as “bonkers”, featured everything from James Bond and Mr Bean to Mary Poppins and Voldemort. And even The Queen herself. In all, the opening ceremony featured 15,000 square metres of staging –

Sporting heroes, past and present, were projected onto the Houses of Parliament to celebrate the Games
“The powers that be above Danny [Boyle] wanted the show cutting by 30 minutes, as there were concerns that the ceremony would finish too late and that people would not get home.” Hughes revamped the dove bike sequence, altering the timings to co-ordinate with the revised ceremony. He continued: “Danny is a genius in his field and if he doesn’t get an OBE or a Sir from this then there’s something wrong. He visited all of the volunteers before the rehearsals, shook their hands and calmed their nerves, and he was always so calm.” Inspiration for the dove bikes is said to have came from American Louis J. Helle who wrote that cycling is the nearest approximation of the flight of birds. Boyle and his team wished to avoid the dove roasting that unfortunately happened at the Seoul Olympics – the dove bikes were born with one professional stunt rider employed to ride out of the stadium. Hughes rehearsed the dove bike sequence since May, training the cyclists in a car park how to ride in a peloton. From July

digital canvas Unlike the opening ceremony, which enjoyed a more relaxed load in and featured grand props and staging, the closing ceremony had just 14 hours to rig – 93 trucks were required to move essential items from the rehearsal venue in Dagenham into the stadium. A crew of 743 worked with 18 forklifts to install the 3,048 square metre main stage and 8,800 square metres of scenic floor covering including Damien Hirst’s specially commissioned Union Jack floor cloth that spanned 5,600 square metres. The load in started at 11pm on August 11 ready for a final rehearsal at 1pm on August 12, some 14 hours later. Once again, the closing ceremony took advantage of the huge digital canvas offered by the audience pixel paddles that were a key part of Danny Boyle’s vision for the opening ceremony. Crystal CG made 27 video sequences for the closing ceremony, totalling 75 minutes in

length – each sequence saw teams of up to six animators collaborating with their different areas of expertise and on some occasions a single sequence could take more than seven days to render. The LED pixels create what is believed to be the largest ever video screen – upon which a team of 17 at Crystal CG spent three months to create a digital spectacular for 30 of Britain’s greatest music acts including The Who, Take That, Queen, Madness and Ray Davies. A busy Olympics schedule, meant that the Crystal CG team had to test the footage during the early hours of the morning before sunrise, and the audience pixels had to be tested every night after the spectators went home to ensure they were working for the closing ceremony. Kim Gavin led the spectacular show with a team of creatives including music director David Arnold and designer Es Devlin. A volunteer cast of 3,500 rehearsed on average for 60 hours each in a total of 135 rehearsals during evenings and weekends at two east London rehearsal sites. And if you

Round the houses When the eyes of the world fell on London they focused on the performances of the planet’s best athletes. But behind the scenes, Jacques Rogge, president of the International Olympic Committee, was praising the sponsors. Without the 11 global companies that make up The Olympic Partners programme, the Games would not be possible. For London 2012, Coca Cola, McDonalds, Panasonic and P&G were joined by Tier One partners adidas, British Airways, BMW, BP, BT and EDF, Tier Two supporters Cadbury, Cisco, Deloitte and Thomas Cook and 28 Tier Three suppliers, which included Aggreko, Heineken UK and Ticketmaster. The IOC stipulated that the resources and services of the sponsors and partners were the driving force of the Olympic movement. But unlike football and tennis tournaments, which allow sponsors to advertise their association within stadia and sporting venues, the Olympic Games operate a ‘clean venue” policy. This means that sponsors have to come up with imaginative ways to showcase their involvement with the largest sporting event in the world. And most do this by creating a “house”.
surrounding areas, welcoming technology officers and key decision makers. Cisco House is a two-storey semipermanent structure, offering 1,800 square metres of space. The project has been two years in the making and the house itself is packed full of Cisco technology that cannot be seen; it must be experienced. Explained Andy Best, vice president, head of creativity, George P Johnson: “We spent a lot of time on focusing on what the messages within Cisco House would be. “Location was also key. We looked at 173 different locations and needed somewhere that could handle a capacity of 250.” At the time, the Olympic Park had not been finished – George P Johnson created a render of the view from the top of Westfield, which it used to pitch the site to Cisco and its sponsors. The network and infrastructure provider loved the Westfield location, which will remain open until September. “Almost 13,000 people will have gone through the house at the end of the five

months,” added Best. “We knew that we didn’t want to create a hospitality venue. We wanted a different conversation and we wanted to elevate the conversation and to spark ideas. Cisco House is not about the hard sell. We wanted to engage the audience in a different way and to show how Cisco has been at the heart of the London 2012 Games.” Logistik Group designed, built and managed BT House for BT, its flagship experiential activity at BT London Live in Hyde Park. Logistik won the project in April – it took three months to realise BT’s vision, which started to take shape on July 18 when the build started, ready to open on July 27 for a 17-day run. All design, build and stage management was handled by Logistik. LoveLive produced and delivered all filmed content for the project, as well as curated and booked the live music talent on the BT Vision Stage. BT delivered the technology, and also partnered with SEGA, publishers of London 2012, the Official Video Game of the Olympic Games to host a daily gaming competition to win Olympic tickets. BT House was designed to create “brand warmth” with existing and new customers. Anyone could enter the house but BT customers, who traded their landline number at the welcome desk, were able to access the VIP lounge on the first floor, which offered a premium space with views over the park and the main stage. BT wanted to attract at least 20 per cent of visitors who attended BT London Live, Hyde Park, to BT House. It wished to drive consideration of BT products and show how BT is connecting customers to the best in sport, gaming, TV, music and

entertainment. Visitors could game and surf the Internet, Vision allowed people to catch up on their favourite TV and BT customers could make free phone calls. Daily interviews in the house, hosted by Daybreak’s Richard Arnold, featured BT Ambassadors Dame Kelly Holmes, Daley Thompson and Jonathan and Alistair Brownlee – these interviews were followed by signing and photography sessions.
House of fun Sponsor and partner houses were joined across the capital by official houses of those countries competing. Holland Heineken House was one of the most popular venues to open at the Games, attracting a sea of orange sports fans. The Dutch national team took over Alexandra Palace, creating a VIP bar area, an Olympic athletes lounge, a medal ceremony hall, an interactive sports zone, a big screen area and grandstand, and a concert hall.
The venue sold 6,500 tickets a day – tickets were sold online and required proof of age and ID on arrival. Tickets first went on sale in the Netherlands via the official website to give Dutch passport holders a first come, first serve opportunity to support their team at Holland Heineken House. Ticket sales on the website were then expanded to an international online sale – and there was also a promotion to allow the local community to Alexandra Palace a chance to win 1,000 tickets. Holland House was hosted by Heineken – its popularity demonstrated by the 4,000 applications received for 280 crew places. Trefpunt Sports and Leisure Marketing carried out all event operations on-site, Albron were responsible for the catering, TSC and Show and Event aided security measures, Sightline Productions looked after technical production, ATPI managed ticketing and hospitality, Caring for You provided medical support, Ampco Flashlight

supplied audio and lighting and Rabobank developed and installed a cash-less payment system that required guests to use a top-up payment card. In central London, House of Switzerland also proved popular with visitors. In fact, 255,000 people enjoyed Switzerland’s “Red Zone”. House of Switzerland, which took over Glazier’s Hall, opened on July 20 offering live music, children’s activities, free chocolate and climbing sessions. Highlights included medal celebrations for successful Swiss athletes, daily open-air concerts by Swiss groups, special events including the Swiss Creative Day of July 23 and the Swiss National Day on August 1. The activities were designed to attract sports fans and tourists – 3,000 visitors climbed the Eiger North Face climbing wall organised by Switzerland Tourism with a chance to win a trip to Switzerland and 35,000 guests enjoyed a range of Swiss dishes and drinks created by catering partner Mosimann. Manuel Salchli, Presence Switzerland, is in charge of major international events and manages all Swiss Houses at the Olympic Games as well as Swiss involvement at many major expos. He has worked on many Olympic projects and believes that the Swiss team is getting more and more professional with its activities. Swiss House used 3,000 square metres of space to entertain the public – the Red Zone, an outdoor area where guests can relax and enjoy Swiss hospitality, was completely free. The budget for this project was CHF 4.5 million, roughly £3 million, of which a third was offered up by sponsors and partners. Bellprat designed Swiss House’s red stage and set and Uniplan created it before shipping it over to the UK, building it with a German and UK crew. Switzerland will maintain a presence during the Paralympics in London. Just a short distance from the present site of

the House of Switzerland, the restaurant La Cave will serve from August 30 to September 10 as a Swiss fan zone, a meeting place for athletes and their fans, which will also offer live music. Until September 8, Casa Brasil will remain at Somerset House where it has entertained the world and the media since July 21. Casa Brasil has received much attention, as Brazil is host nation of the next Olympic Games in 2016. Emma Barrow, events manager, Somerset House, has worked with the Casa Brasil team to accommodate at the venue a public exhibition, business networking areas and an outdoor stage for live entertainment from 6.30pm until 10pm. Barrow and Dionne Alexander, Somerset House’s deputy head of events, have worked on the project. Casa Brasil and Rio 2016 has utilised SRCom and innovision to create the house. Patricia Hespanha, Rio 2016 director, told Stand Out: “We wanted to give people a view of what Brazil is about. Casa Brasil provides opportunities for business meetings, Government activities and sponsor meetings. Over two and a half weeks we have hosted over 70 events – we have wanted to showcase economic opportunities and Rio 2016. It’s been important for us to show our culture and environment and the feeling that there’s something to look forward to. “We also have a happy hour concept where people can have fun and enjoy the Brazilian way of life. Somerset House has open space and art space and the central location allows us to bring Brazil into the heart of the city. We view Casa Brasil as an event and not a marketing activity. It’s

important for people to experience Brazil and for us to create a social hub.” The Queen Elizabeth II Conference Centre (QEIICC) hosted Casa Italia, home to CONI (the National Olympic Committee of Italy) and showcased all things Italian. Jakala Events worked on the project with much of the production needed to create Casa Italia being shipped from Italy. On July 16, the build began, a project overseen by Darren Jordan, event manager, QEIICC. He said: “I have been working with CONI since the start of the year to help them convert all six floors of the venue. The past few months have been an Italian whirlwind! From dealing with Italian contractors (who had to be reminded of UK health and safety policies) to trying out my own Italian; it has been an eventful few months.” The ground floor foyer had a welcome and registration desk, whilst the Churchill auditorium was turned into a stage for live

events – including opera, Italian artists and of course medal ceremonies. The first floor housed an area dedicated to each of the sponsors – Banca Intesa, Fiat Group Automobiles and EA7 Emporio Armani, which created a pop-up retail store – the only location in London where you could buy the official Italian Olympic merchandise and kit. The second floor became the “Italian Experience” – where visitors discovered how sustainability plays an important role in Italian products, resources and technology and they were also able to experience Italy for themselves with wine and food tasting from the regions. The third and fourth floors were private; one floor was turned into an Italian restaurant – for CONI and their sponsors to entertain their guests, whilst the other was dedicated to the Italian media. The fifth floor was home to a Banca Intensa exhibition of Italian photography – showing a snapshot of Italy and The Italians, the title of the exhibition. The sixth floor was also kept private – it was turned into a nightclub for Casa Italia VIPs and invited guests only. The QEIICC team managed to secure a late license for CONI to entertain their VIP guests into the early hours of the morning. Jordan concludes: “CONI will be using the centre for the Paralympics too, but it’s a completely private event and a totally different set up.” Perton Signs created some of the signage within the venue and Moore People supplied interpreters and bilingual hostesses to welcome guests to the centre. CONI hoped to welcome between 500 and 800 guests each day and entertain 400 guests privately within the restaurant and VIP areas.

Sue Etherington, commercial director, QEIICC, commented: “We tendered for a few Olympic houses – France, Swiss and Netherlands – but catering was sometimes a sticking point. CONI wished to bring in its own chefs and so Leiths obliged and assisted with health and safety, environmental health and deliveries.” CONI confirmed that it wanted to use the centre in April 2011, but six months of negotiation took place before it would sign on the dotted line. Etherington explained that they both reached a “mutually agreeable” price for the hire of the venue, following advice from London and Partners, which reassured the centre that it would not lose out on business if it agreed to Italy taking over the venue at an earlier point in July.
Live action Outside of the city centre and away from London, Weymouth and Portland welcomed thousands to the borough – Weymouth was one of more than 25 live sites that utilised large screens to show sporting fans live action. An estimated 60,000 to 70,000 people visited Weymouth on “Super Sailing Sunday”, as Ben Ainslie made Olympic sailing history, taking his fourth gold medal. People took to every vantage point to try and get a view of the action and around 3,000 lined Stone Pier to cheer on Team GB sailors. The Live Site on Weymouth Beach attracted huge crowds of people, while thousands more gathered along Weymouth Harbour and at the ticketed venue at the Nothe.
As the host for the sailing events and the largest venue outside London, Weymouth and Portland put on a full programme of special events – many of them for free. Weymouth’s two-screen Live Site was erected on the beach showing all the sporting action – Show Site Services provided Weymouth Borough Council with a water supply for the toilets and drinking water facilities situated on the beach plus other locations within the borough. A Sport Arena, backed by £60,000 of investment from Sport England, created on Weymouth beach to give people the chance to try out sports such as rowing, rugby union, football, cricket, sailing, volleyball and table tennis, attracted more than 50,000 people as it opened from 10am until 6pm during London 2012. And live music was also on offer at Weymouth Pavilion, after Mainsail, organiser of Weymouth Bayside Festival, a live event designed to run alongside the Olympic action, entered liquidation. Whilst the majority of London 2012 and associated activities ran smoothly. The event was not without drama. Just 10 days before London 2012 began, G4S revealed that it would not be able to deliver the 10,000 personnel needed, and that it had promised, to secure the Games. In total, 18,200 military personnel were involved in the Police and civilian-led security effort for the Olympic Games. Some 12,200 supported venue security operations, and carried out tasks such as patrolling and pedestrian and vehicle screening. An exhibition centre in Wapping, East London, served as accommodation for

the bulk of the 3,500 additional military personnel that were drafted in to fill G4S’ shortfall. Tobacco Dock housed around 2,500 personnel primarily from the Army, the Royal Navy and Royal Air Force. It has got to be said that the military, volunteers and Games Makers did an amazing job. It truly was the people’s Games. Perhaps not such a twee, pipe dream after all.

Wet Weather
Wet, wet, wet This summer so many events were cancelled as a result of wet weather. Here, Stand Out chats to organisers about their muddy experiences and asks what more, if anything, could have been done…
C
ounty shows, festivals and public events fell victim to relentless rain and adverse weather conditions – over four weeks, the elements played havoc. The British Grand Prix was one of the most high profile events to gain unwanted media attention, as ticket holders were turned away from waterlogged car parks. Earlier, in June, the Isle of Wight festival suffered at the hands of freak weather conditions, which have led to calls for the music event to have its capacity slashed, and The Hit Factory, Hyde Park, also succumbed to the elements. At the beginning of July, events across the country were either being cancelled at a phenomenal rate or turning customers away at the gates. Kent County Agricultural Society, organiser of Kent County Show, used 200 tonnes of bark chippings and more than 100 tonnes of road planings in the form of crushed bitumen to help create firm surfaces, particularly to the car park gateways and around the showground itself. This meant that the event could welcome 50,000 over the course of
the three-day event. However, whilst the show remained open, it did close various sections of the car parks, turning away some visitors to the event. The Great Yorkshire Show, Harrogate, opened on July 10, however ground conditions and poor weather forced the organising team to cancel the following two days of activity and trading planned for July 11 and 12. It is now set to make an overall loss of £2 million following the cancellation. Nigel Pulling, chief executive, Great Yorkshire Show, told Stand Out: “Four days before the show opened, our car parking contractor, Special Events Parking, looked at our car parking and said that a couple would not be usable. “At this point, we put in extra tracks to guarantee that our car parks would be usable and also looked at plans for contingency car parking.” The operations team distributed miscanthus (elephant grass) across the site to soak up the excess water but the impact was insufficient. The marketing team also used social media and local radio to

encourage people to use public transport and a shuttle bus service from Harrogate train station. However, it was not enough. “The first day of the show was successful but it bucketed it down at 4pm and then we got reports that people were getting stuck in the mud. A lot of the car parks we relied upon on day one would not be operable on day two. We assessed the situation and knew that on day two we would not have enough car parking space to accommodate those who had purchased a ticket in advance, and so at 6pm we took the decision to cancel.” Pulling and his team are now in the process of reimbursing traders and have agreed to refund two-thirds of their fees, which alone will cost the event £700,000. Pulling continued: “We have had a rotten summer. Most people on the ground knew how bad things were and have been very supportive, and so our offer to reimburse two-thirds of fees has gone down relatively well. But because of the weather, shows are not getting their normal crowd numbers and so sales for them [traders] are down.”

Ground works The CLA Game Fair is one of Britain’s largest public events, attracting over 100,000 visitors each year. It moves location, opting to host at Blenheim Palace, Ragley Hall, Harewood House and Belvoir Castle. But with just one week to go before the annual event was set to open its gates in Grantham, Leicestershire, the organisers opted to cancel. Andrew Crawford, director, CLA Game Fair, commented: “We’d been on-site since the end of May, putting the infrastructure into place. Our ground guys, despite the weather, managed to get what they needed done. But with one week to go we still had 1,000 exhibitors to get on-site with 7.5 tonne and artic lorries. There was no way that they could come on-site without destroying it. Crawford and his team distributed 30 tonnes of wood chip and had another 100 tonnes on standby but didn’t use it. It was quite clear to them that it was not having the desired effect. “We had hired extra track but we would have needed another 12 miles of it just to get the exhibitors in. The last time that we held the event at Belvoir Castle we put in a chip stone road. That, along with the track that we already had on standby, would normally have sufficed. But we soon discovered that the trackway was sinking after two to three vehicle movements. A mud slurry was forming on the surface.” Crawford continued: “On July 7 and 8 we were forecast warm weather and we had an opportunity to see if the site could dry out. We held exhibitors off site but on July 8 the water was coming up and out of the ground – it was the point of least resistance, the water had nowhere to go and so the ground was saturated.”
Mud, glorious mud
24 www.standoutmagazine.co.uk
But could more be done? Had Crawford and his team looked at all solutions? Could they have prepared more? “We looked at every contingency,” added Crawford. “We looked at park and ride options and using two disused airfields nearby but we could not have parked the 23,000 cars that visit and we would have required 2,000 coach movements to move visitors to site. It was not do-able.”
the organisers of the Great Yorkshire Show have promised to allocate more budget towards drainage for the 2013 event. It will also review its car park plans and look to make improvements.
Paying a premium Like Pulling and the Great Yorkshire Show team, the CLA Game Fair is now issuing refunds for 66,000 pre-sold tickets. Thankfully, the organisers are insured, as this summer was not the first that the organisers have encountered adverse weather conditions – in 2007, flooding caused CLA to cancel the event at Harewood House. For Pulling and the Great Yorkshire Show it’s a rather different story. The show, which has never been cancelled in its 154-year history, did not have any wet weather insurance. Wet weather insurance is something Pulling had looked at in the past but had decided that it “never looked that attractive”. Crawford commented: “We are insured. It costs us £4 million to put the show on so we couldn’t take that hit. Thankfully, we renewed our insurance this year and have a fixed term premium for the next two years. I hate to think what it [premium] would look like next year if we hadn’t renewed.”
He argues that it will be interesting to see how people cope with insurance premiums over the next 12 months – will shows no longer go ahead because they cannot get insurance? Will there be an even greater demand for trackway? Or will organisers look for venues with substantial amounts of hard standing? “Cancellations and bad weather clearly put doubts in people’s minds,” continues Pulling. “The situation clearly undermines the hard work done already and if you have a rotten summer’s trading then you [traders] will lose confidence. Clearly, the situation is not ideal but we managed it well and we’ll review everything and be back next year.”

Flying colours The Royal International Air Tattoo (RIAT) and Farnborough International Airshow (FIA) weathered the Olympic storm. Stand Out talks to both Grahame Jones, operations director, FIA, and Chris Murray, operations director, RIAT
I
t’s fair to say that the summer has been somewhat unsettled – the weather has most certainly tested the strongest operations teams and the Olympics has caused the organisers of many annual events to rethink their plans and marketing strategies. Thankfully, savvy organisers that have built loyal fan bases have weathered the storm, reporting high visitor figures and lots of happy customers. According to Grahame Jones, operations director, Farnborough International Airshow (FIA), the 2012 event was considered a great success with 126,933 square metres of exhibition space sold – 1,506 exhibitors from 39 countries took part and orders and commitments for aircraft announced during the trade show totalled $72 billion. On top of that 109,000 visitors came through its gates. The Royal International Air Tattoo (RIAT) also reported similar successes, with roughly 135,000 visitors. Chris Murray,
operations director, RIAT, explained that he is happy with the figure given the constraints placed upon disposable income and other diversions such as the British Grand Prix and Wimbledon that took place on the same weekend as the event. Yet despite vying for the same disposable income of the public, the two shows needed to work together in order to create successful events. “We moved FIA forward by one week from its traditional place in July to ensure resources such as accommodation and other vital services were not affected by the Olympic Games,” commented Jones. “We worked with RIAT to achieve this by moving the dates of both shows forward, thus keeping with the tradition of RIAT taking place the weekend before FIA and ensuring that exhibitors and visitors could benefit from fully available resources. “We were aware of the potential impact of the Olympics on FIA in terms of resources
gL events owen brown, de boer, a3 Events, Power Electrics, Event Power, andy Loos, Wessington Cabins, Wernick, Star Seating, SaS barrier and Fencing, grundon, Event Furniture, Thorns, WE audio, Tapenade, relish and Main Event Concessions were just some of the suppliers that provided services to rIaT
rIaT increased its use of social media in 2012 through both Facebook and Twitter; using Facebook advertising for the first time. It increased its following significantly on both mediums, experiencing an increase in contacts of approximately 40 per cent

and we addressed this by engaging with our contractors and service providers early to secure the provision of vital supplies and avoid any potential shortages.” Murray continued: “There is no doubt that the Olympics had an impact upon us – we were much earlier in July than normal as a direct consequence and this, in turn, made us clash with both the F1 and Wimbledon. I do think that this had some impact although it is almost impossible to quantify. Having said that, we have a large number of loyal supporters who stood by us, and I believe that we repaid their loyalty handsomely with a superb selection of aircraft both in the air and in the static aircraft display. “As soon as we became aware that the Olympics were to be held in the UK we set about placing multi-year contracts to secure the infrastructure that we needed. In fairness, the vast majority of our contractors took the longer-term view and stood by us on the basis that we will still be here doing business with them when the Olympics are just a memory. Over the years, we have established a strong reputation with our contractors; we deal with them fairly and pay on time and this has paid dividends for us.” Farnborough International Airshow took the decision to only use Event Supplier and Services Association (ESSA) contractors onsite, a partnership that worked well. Jones explained: “Working with ESSA helped us to enforce standards on-site and further assures our exhibitors of receiving the best possible services from official FIA contractors. Many contractors displayed their ESSA membership on their company uniform along with their official FIA contractor status to show their commitment to high standards of service. We believe that this approach has worked well and we intend to maintain it for future events.”
Seeking perfection The 2012 Farnborough International Airshow experienced a higher level of support from Government than ever before including the official opening of the show by the Prime Minister, a further six Cabinet members making keynote speeches, as well as senior ministers visiting from the UK and overseas. Also, following the success of the launch of the Space Zone which doubled in size this year and the launch of the Unmanned Systems Showcase in 2010, Jones and his team introduced further feature zones including the Aviation Security Zone, which offered more targeted networking opportunities for exhibitors.
28 www.standoutmagazine.co.uk
Farnborough segregates and recycles plasterboard, paper, card, wood, steel, plastic and carpet. This year, it also engaged with WraP (Waste resource action Plan) to utilise a software tool to record and benchmark levels of waste. Jones is confident that they will achieve below a 10 per cent level for landfill
Jones and his team are now in the middle of a large debrief, which will be complete at the end of September, to shape the next event but with 20 per cent of exhibitors having already confirmed their attendance in 2014, things are looking positive. Similarly, work is already underway for RIAT 2013 – the team has decided upon next year’s theme – SkyGuardian – and is focusing its efforts on creating the best aircraft displays possible. This decision has been taken following last year’s event, which saw the introduction of a live music stage. Murray reviewed this element of RIAT programming and music was decided against in 2012 in order to focus its energies on making the air tattoo the best airshow in the world. “You cannot stage a world class event without facing some new challenges from which you must learn,” Murray added. “Getting back to the event’s core values was undoubtedly the right thing to do and we need to build on this year’s success to make next year and beyond even better. “With June being the wettest on record the weather had a significant impact upon us – and we are still paying the price, literally, in what is proving to be a huge clean up and remediation process. Following the cancellation in 2008, we have made a significant annual investment in improving

our resilience to adverse weather and I am pleased to report that our plans proved equal to the challenges that we faced. When a number of events had to cancel because of wet and unsuitable car parking facilities we were able to open to the public and nobody was turned away. With over 30,000 vehicles attending over the weekend this was no mean feat! I was pleased that our weather resilience plans stood up to the test although some refinement in how we implement certain measures is needed.” The words of a consummate professional.

f you have had the pleasure of walking through London these past few months then you would have seen streets, venues and shopping locations dotted with gleaming temporary structures. Shining, these structures doubled as brand beacons, as the UK welcomed the world to Brand Britain. Organisers and marketers have upped their game recently with temporary structure providers reporting an increase in business. It has led to a number of contractors adding to their rental stock. As a result, organisers and brands have an even greater choice of temporary demountable structures to exhibit and host within. And this summer saw no end of best practice examples. Berry Marquees is one of the latest to unveil a new bit of kit – the Volcano Tent. The tent has a broad skylight roof and clear
sides, meaning that when placed in unique surroundings architectural features become an integral part of the interior design. Three Volcano Tents were utilised by Casa Brasil. Casa Brasil was the official house of Brazil during the Olympics, situated within the courtyard of Somerset House – the modular units were connected to create an outdoor bar area where guests could grab a drink while listening to live Brazilian artists, and the roof allowed those in close proximity to appreciate the architecture. Commented Stephen Hulme, sales and marketing director, Berry Marquees: “We are continually reinvesting in our infrastructure. We purchase product that enhances our offering and ensures that every production is formed from pristine stock. We do not follow fads in the market, but as a creative design and event company we ensure we set
trends and our offer involves organically with the next steps in design.” Berry Marquees recently supplied Wise Productions with a bespoke venue for hospitality at Kensington Palace. Jet Set Sports required a structure, and the brief specified a relaxed and contemporary

lounge area to contrast with the more traditional look and feel of the adjacent Orangery restaurant. Pagodas with clear walls provided a light and airy space and made best use of the palace vistas. Joining Berry, Showplace introduced Moda earlier this year – another modular system that has allowed the company to increase its presence in the competitive world of tents. Moda comes with an integrated ring beam floor system as well as increased wall height of three-metres. It also has a glass and solid walling system as well as optional extras including bi-fold and electric doors, interior slat walling, coloured roofs, printed roofs, and coloured walls. The new range has proved very popular, Will Stuart, director, Showplace, told Stand Out. Albert Bartlett Potatoes has used Moda at the Royal Highland Show – the potato giant, a key sponsor of Disney’s Toy Story, used the structure as a meet and greet area with life-size characters from the movie. According to Steve Salt, head of experiential marketing, Showplace, the theatre created around and within the structure is key to bringing the structure to life, but not all organisations are capable of

leaving that lasting reminder with a visitor or their invited guests. It’s a point shared by Sian Bates, client services director, TRO, which recently created a number of activations for Chevrolet, Mini and BMW at Goodwood Festival of Speed – BMW housed within a Specialist Structures structure. Any visitor to this year’s automotive event would have seen the difference in scale exhibited by many of the car manufacturers. But it’s not about budget. Bates explained: “Scale has become important to manufacturers, but the days of simply displaying a car are over. You have to work harder to get stand out and so it’s about working smarter with budget. You have to give people a reason to stay on a stand. If the kids are happy then parents will dwell for longer. That means that the brands can have more time with the parents and so there’s more engagement with the brands. Activities give people a reason to stay.” It’s this reason that explains why so many car companies opted to include so many child-friendly activities at Goodwood.
Showplace presents Moda
Chevrolet created an abseil wall, Mini utilised dodgems, Nissan used a skydiving simulator and Skoda added a slide to its design. “To get stand out you have to look at old fashioned entertainment,” continued Bates. “Go back and look at what has in the past worked well. Goodwood has lots of children and blokes visiting, so the Mini dodgems were a massive success. We looked at visitor activities rather than having a big structure with cars inside because you cannot spend 50 to 60 per cent of your budget on a structure if you’re not going to use it properly. “For Mini it proved more cost effective to use the dodgems. We looked at the space on-site – we wanted something different that would not be dwarfed by lots of big buildings. We had to make a statement. For BMW, which was celebrating 40 years of its M range, the owners lounge proved popular and a welcome rest point.” A successful feature – the result of a brand knowing its audience and an agency understanding its client.
VIP treatment Samsung launched the Galaxy S III smartphone in several pop up shops over the summer months. Located in central London locations, customers could try Samsung technology within the shops dubbed “pop up PINS” – a further example of how brands communicate with audiences. Losberger provided five structures, which were transformed into Samsung retail outlets at Stratford International Station, Exchange Square, N1 Centre, Canary Wharf Station and One New Change Shopping centre. The mobile PIN stores were made of glass – three sites used Losberger’s new Cyclone structures, measuring 5m x 5m and two utilised Losberger’s P7 modular tent system.

In 2012, the Cyclone structure, revealed earlier this year, has been joined by a new event and trade fair hall concept. Palas has spans from 15 to 30 metres, and a sidewall height of eight metres. Hard PVC or glass facades are available, as are horizontal or vertical placements, and there’s also the opportunity to have a one or two-storey (Emporium) pavilion. The full height glass façade allows for optimum light conditions and the two-storey option also provides organisers with the ability to create art galleries and reception areas, and a roof suspension capacity of 1,000 kilogrammes per truss is perfect for larger productions. De Boer is currently developing new Alu Halls. John Cochrane, sales director – events, De Boer, explained that the modified A-frame structures are set for the market in April 2014 and will feature new technical innovations, better flooring and improved doors. It’s a process that involves all layers of
De Boer staff from foremen to transportation, as the company looks to revitalise a popular range of structures including how they can be loaded and transported to site. The Brackley-based company recently provided facilities as big names including Bruce Springsteen, Rhianna and Paul Simon wowed recent visitors to Hyde Park, as Wireless and Hard Rock Calling got the summer music calendar underway. Accommodation created by De Boer included facilities for hospitality, crew and artist catering, merchandising outlets, public bars, first-aid centre and production offices. Other facilities provided by the company ranged from dressing rooms and wardrobe areas to an accreditation office, and from open-air decking and BBQ area to two structures for use by media. In total, De Boer supplied 9,500 square metres of structures including a large number of A-frames and chalets. Hard Rock

Calling created a VIP lounge and bar within one of the structures as well as a working spa area and swimming pool. Explained Kate Morrison, De Boer’s key accounts manager: “Providing structures to Hyde Park is a huge logistical challenge but one that De Boer is very used to handling. The weather has provided an additional complication this year but, because muddy sites have been par for the course during 2012, this was something we were prepared for – and it didn’t delay our work at all.”
rock bottom prices According to Patrick Ball, business development and marketing manager, Danco, following the Jubilee and more significantly the Olympic Games, the events industry will see an increase in the quantity of temporary structures available in the UK. “The types of structures used at both of these events has been diverse, with a multitude of different sized standard marquees and larger structures installed using more bespoke products,” he said. “The nature of the contracts involved has meant that the majority of the structures in place are new and this will mean that a large amount of stock will be available for other events. The additional stock will indeed mean that there should be more availability for event organisers although in our opinion this need not develop into a price war. “The temporary structure industry is very complex and many decisions made by event organisers with regard to whom they book is not necessarily made by availability of stock alone. Attracting new business is about selling the company brand, service delivery experience, event support, aftercare and above all honesty.” It’s a point also noted by Anthony Wickham, director, TT Tents. He argued that

Striking impression Neptunus has invested heavily in new

an oversupply of equipment as a result of London 2012 will not dilute market price, as prices are already rock bottom. He continued: “The reality is that the cost of erecting a structure is similar to all operators and any operator going below cost price is suicidal. Buying market share is unwise and investment in structures for the Olympic shortfall will have been paid for in 2012 rentals, so, just because you have stock doesn’t mean you have to ‘get it up in the air’. Aluminium does not depreciate in the warehouse, it depreciates when on-site being misused.” Fews Marquees also agrees and predicts a saturation of temporary structures post-London 2012. Matt Porter, head of operations, Fews Marquees, suggests that customer service will separate the good from the bad. Up until recently, Fews Marquees has stocked kit up to 15-metre spans, but its new Premium equipment takes it into the 20-metre and 25-metre market. It recently installed a 25m x 40m structure on behalf of Eventhouse for a management conference at Cheltenham Racecourse. “We had to level the ground with 550 square metres of scaffold sub-structure to compensate for the 1.7-metre drop before we could even start on the building,” said Porter. “We also had the additional challenge of using ground weights to secure the structure so as to avoid damage to the racecourse. This was coupled with zero vehicle movements on the course so all equipment including weights had to be moved by hand. It was testing, but the end result proved to be a great solution.”
products this year, maintaining stock levels of basic tentage and adding more Evolution stock to its portfolio. Said April Trasler, managing director, Neptunus: “All investment has been in new or unique products like our Evolution structures, which are continually in demand for product launches, events and exhibitions. “Our research and development department made further investment into the Evolution and developed new floor systems and mezzanine floors, staircases and handrail systems designed to enhance the aesthetics of the structure.” She continued: “2012 has been an exceptional year for our industry and exciting times for Neptunus in the UK as we continue to grow. Neptunus has made a significant investment in the purchase of

land in Northampton and the development of a purpose built premises to serve our national client base. We are looking forward to putting down firm roots in October 2012 when the first stage of construction is complete. The site will accommodate a modern three-storey office building as well as several large warehouses for the storage and onwards distribution of products. “Structures from our own product range will be used to create four warehouses – phase one this year sees the building of two warehouses from existing stock with phase two planned post ‘2012’. The new office will provide additional capacity for future growth, enabling us to expand our service team by hiring additional staff.” Neptunus recently supplied the organisers of Masterpiece London with over 13,000 square metres of exhibition space. The art, antiques and design fair required more exhibition space in 2012 to accommodate over 160 international exhibitors. Situated in the South Grounds of the Royal Hospital Chelsea, the event required Neptunus to construct and connect two of its Evolution structures, measuring 35m x 145m and 50m x 145m. A third 10m x 85m Evolution formed an entrance hall before the entire structure was wrapped in a giant print. The height of the structure allowed services like air conditioning and electrics to be fitted and concealed discreetly above a false ceiling. These were fitted into the roof

at ground level and raised using hydraulics to reduce the working height and allow for a speedier installation. Internally the finish was neat and practical with the structure’s opaque roof skins providing a dark interior – this enabled the production team to create an ideal environment in which to illuminate the exhibits on show.
Investing wisely Like Neptunus, Mar-Key Group has made significant investments in its business. According to Ben Scroggie, managing director, Mar-Key Group, 2012 has been a year of innovation and investment in its staff, products and manufacturing capabilities. The company has invested in excess of £450,000 in new equipment – new 10-metre span A-frame structures have been put into stock as have 5m x 5m VIP Pagoda pods. The pods can be fitted with internal decking or cassette flooring, and are on a standard
three-metre leg height. All units were hired out on Olympic projects, said Scroggie. This summer, Mar-Key Group worked with Sperry Top-Sider. It supplied a 10m x 10m double deck structure for an event held in Weymouth, which the retailer branded the “Sperry Village”. This space was used for a pop up retail space, raising awareness for the brand, as well as creating a place for the Sperry team and athletes to relax and meet. Working closely with the client for over a year to maximise its vision and theme, MarKey Group not only supplied the structure, but worked on many elements of “Sperry Village” from furnishing and dressing to high specification power, satellite Internet, lighting, audio visual equipment and sound throughout the structure, ensuring it was finished to the highest possible standard. Brand new five-metre bi-folding doors were designed and manufactured for the structure to create an open and welcoming entrance, and glazing was used on the

first floor to provide a panoramic view of the Weymouth Coastline, with full graphic branding both internally and externally truly showcasing the Sperry Top-Sider brand. A challenging build also faced GL events Owen Brown earlier in the summer – it completed one of the most challenging projects it has ever attempted after building Russia’s Olympic House in London’s Kensington Gardens. The company had to use all of its experience and expertise to erect Russia Sochi Park. a 7,700 square metre project comprising two vast temporary structures, which the country used to showcase Sochi 2014, host city for the next Winter Olympics. Attractions at the venue, which were erected on behalf of Eventica Communications with a winter wonderland interior concept designed by M-IS Plc, included the biggest ever ice show outside Russia, music and dance performances and even a 4D cinema, where visitors experienced a chairlift ride up the snowy Krasnodar mountains. Sochi Park was hemmed in by historic plane trees making up the Royal park’s famous avenues, a location which at one point required Owen Brown’s crew to use a 160 ton crane to lift the equipment right over the trees so as not to damage them. Owen Brown also had to compensate for the undulating parkland by raising part of the structure’s floor on scaffolding, some 1.2m high, in order to deliver a level platform on which the exhibition centre could be erected. The ice arena accommodated tiered seating four-metres high, providing 1,100 people the opportunity to watch a host of revered Champion skaters. The ice rink, supplied by The Ice Company, measured 18m x 30m, and it took 48 hours to make the ice with 50,000 litres of water. The Olympic Games also saw Owen Brown build a double deck Absolute structure at the Fish Island Riviera, at Forman’s Fish Island. Both Olympic projects are the latest in a series of builds. Now, the Castle Doningtonbased firm is celebrating after winning two new contracts to supply temporary structures to both Carfest South and North and Jamie Oliver’s Big Feastival, where it will provide around 1,300 square metres of temporary accommodation on September 1 and 2 including structures for a food village, restaurants, a VIP area and a cooking masterclass space, where Oliver will man the chopping boards alongside fellow celebrity chefs Gennaro Contaldo and Simon Rogan.

Live at the Marquee
What a Corker! Live at the Marquee is a staple in the Irish events calendar. Stand Out talks to its organiser Aiken Promotions to find out the secrets of its success
t
he middle of an industrial park alongside the dockyards in Cork, Ireland, may not seem the most obvious place to attract global artists. But each summer a familiar sight appears on the skyline – a multi-coloured big top that attracts thousands of people across a month-long run of gigs. Live at the Marquee is the perfect example of how events capture
the hearts of the cities they’re hosted in. Since its inception Live at the Marquee has become a staple in the Irish events calendar, consistently attracting big name acts including Roger Waters and Bob Dylan, and home grown talents such as Imelda May and (love them or hate them) Jedward. Aiken Promotions organise the event, and its production manager, John McGuigan explains: “Cork isn’t necessarily the first

place you’d think of in Ireland to stage this sort of event. Usually you have to travel to venues like the O2 in Dublin, which we also work with. We staged the first Live at the Marquee as part of the Capital of Culture celebrations in 2005 and we quickly realised that we’d created something special, for both the public and visiting artists.” Apart from a venue change in 2009, Live at the Marquee has been free of any challenges. Now firmly ensconced on the concrete surface of Centre Park Road the event has its production down to a tee. With an impressive overall load in time of just five days – including the installation of a 66m x 76m multi-coloured big topstyle structure, auxiliary structures such as crew catering and dressing rooms, staging, grandstands, PA (supplied by Paul Aungier for Major Tom) lighting and concessions, the team relies heavily on trusted suppliers utilising a clever mix of local talent and overseas contractors. McGuigan continues: “We’ve worked with local suppliers such as lighting company Conor Jacob, since the first year and they do a fantastic job for each and every act that comes through the doors. But we

want our audience and artists to have the best possible experience and if that means importing other elements of our production in from the UK and the rest of Europe then that’s what we do. We could have a cheaper stage, cheaper security, cheaper food and beverage outlets. But we won’t do that – we want the best, and that’s what our audience has come to expect, and it’s why they come back year after year.” A recent addition to the suppliers list is staging contractor Right Structures. It has supplied its flexible, modular staging system, the Geo Structure, to Live at the Marquee for the last two years. Ruben Caruana, business development director, Right Structures, comments: “Live at the Marquee is the ideal showcase for demonstrating the Geo Structure system to the industry and we’re delighted to be working with the Aiken team again. There was definitely a gap in the market for a more design-led structure which is accessible to events of all sizes, and our new investment means we can now take our product out to the wider market.” This year the Right Structures team installed a stage with rigging capacity of 14 tonnes – the structure stood at 9.5-metre high (from stage to roof) and 28-metres wide. Featuring the Geo Stage’s signature curved roof, eight riggers installed the structure in just three days. McGuigan adds: “We wanted a stage that offered additional experience to the audience. It’s unusual having a covered stage inside but it really helps create that outside festival atmosphere. We had some issues with the sightlines of the stage we were using before – the new product offers us the best sightlines. Plus it looks great.” Production Services Ireland (PSI) provided lighting, trussing and rigging for the event and flew four Litec trusses (one at 16 metres wide and three at 18 metres) off the stage structure. they wouldn’t have access to otherwise – definitely not on their doorstep. Each year we put on an incredibly diverse mix of artists so we can cater for as much of the community as possible.” It’s an approach that’s obviously working. This year, hundreds of teenagers lined the streets, wielding banners and hoping to get a glimpse of their idol Olly Murs, parents brought their youngsters to enjoy Jedward, Tom Petty and the Heartbreakers pulled in a more mature crowd, and both Olly Murs and Jessie J added extra dates after selling out the 5,000 capacity venue.

Crafted from recycled materials and aged leather, the new design is stackable and offers a completely different take on mass produced traditional chairs. States Ian Harvey, managing director, Furniture on the Move: “We are very excited about our new products. We normally stick to boutique and unique offerings, but have been increasingly frustrated in trying to match our furniture with what is often provided in large quantities by other companies, so we decided to enter the fray ourselves and have had some fantastic feedback already.”

London awaits Can London look forward to a sustainable and prosperous future post Olympic games? Mark Saxby, sales and marketing director, Universal WorldEvents, and Eventia member, explains
i
n the run up to the Olympics we saw the culmination of infrastructure projects that have given us world class stations in Kings Cross and St Pancras; in Terminal 5 we have one of the most up to date airport facilities to be found anywhere in the world. The London skyline now features a blend of landmarks new and old that no other city in the world can rival. All this before we even consider the Olympic Stadium, Olympic village and purpose built venues. Years and years of preparation and planning and billions of pounds of investment went into delivering the London Olympics but now that the Games are over the focus will be on its legacy. To my mind the biggest
legacy that will have been created is ironically an intangible one – that the perception of London will have changed forever – and for the better. The exact nature of this will remain to be seen in the months ahead but the likelihood is that London will be perceived as a City steeped in the 21st century with a rich and colourful past, a city that is full of diversity that embraces the arts and culture, a city of life, energy and activity, a city that lives and breathes around the clock and, above all, a city that people want to visit again and again. If this has been achieved then London can look forward to becoming one of the top destinations in the world not just for tourists but also specifically for business

conferences, events, conventions and congresses. Already positive shifts have been experienced and if this is built upon and sustained then, depending on which statistics you read, anything up to 250,000 jobs a year can be sustained in the related sectors and associated supply chains on an ongoing basis. In today’s world and economic climate this has to be the ultimate legacy. London awaits.
Long live local Do carnivals and community events of old have a place in the modern events arena? Chris Powell, director, The Event Expert, and NOEA member, certainly thinks so
A
ren’t carnivals a thing of the past, something you were taken too when you were a child? Well yes, you are probably right. So, is there still a market for such an event? With many event managers seemingly obsessed with producing ever more spectacular events because today’s technology savvy audiences are apparently demanding them, it is easy to lose sight of the fact that community events, which make up the vast majority of our events, still have an important role to play. I would argue that they are more important than any multimillion pound spectacular, because they often allow audiences to be both a spectator
and a participant. While at the big-ticket event, you will only ever be a spectator. I know community events are tough to organise. I also know that when a group of enthusiasts really drives an event plan forward other people want to become involved – it’s about spreading infectious event enthusiasm. On a recent family holiday to the Channel Island of Alderney, I was pleasantly reminded what it is all about. Alderney Week comprises a colossal 55 events in eight days. The event team has a very small budget to work with. They do however have a sack full of creativity and enthusiasm. There literally is something for everyone and that is the beauty of it.
Do you agree with powell? Do you support or organise local, community events? is funding the only issue? Have your say: visit www.standoutmagazine.co.uk

Everyone can find something to take part in, watch and or organise. Community events may not be the biggest, brightest or possibly the most beautifully produced event you will ever see. But as a lover of all types of events I am often very pleasantly surprised by what I see at community events. There is also something very special about knowing just how much satisfaction and pride these voluntary event organisers will feel, once everything is tidied away. I know we are all busy but I implore you to support your local, community events. Better still, offer to help or are you just too important to go “local”.

Does the entertainment you last chose for your event have the X factor? Or do you look for a British artist with some talent? Stand Out talks to corporate entertainment experts and discovers the appeal of TV talent show acts
t
he X Factor leapt onto our TV screens on August 18, and any organiser with a teenage daughter in the house will know that their Saturday night viewing is sorted until Christmas. Admittedly, many of us watch the raft of TV talent shows that grace our goggle boxes but the acts that appear on such programmes fuel huge demand within the events market, as corporate organisations look to have a “famous” name perform at their event. Archie Archer, managing director, Contraband International, agrees that there is high demand for TV talent show acts
from Britain’s Got Talent, The X Factor and The Voice with Britain’s Got Talent requests beating those of The X Factor. But do such acts that have endured TV exposure have kudos over an act that has not appeared? Not necessarily, Archer argues: “It depends which type of acts you are talking about, for example on Britain’s Got Talent there have been contortionists, magicians and drag acts who have not been the best the industry has to offer but can cash in on having appeared on TV. Then there are acts like Flawless and Threebee, which are both at the very top of their game and who have used the mass media as a launch pad to
push their act into the limelight and become a household name.” Comments Susan Heaton Wright, director, Viva Live Music: “It depends who the target audience is; if you are targeting 16-year-old girls, then yes, but the corporate market appears to be getting weary of these acts. I have had comments from clients who have been unhappy with the quality of entertainment they have received and the price they’ve been charged. “I believe everyone is more price conscious and wanting ‘value’. From personal experience, talented acts that have been around for longer – and haven’t

Corporate entertainment
That’s entertainment
Corporate entertainment
appeared on TV do offer more in the way of performance and experience for the clients.” But Adam Sternberg, director, Sternberg Clarke, has a rather different view – TV talent shows are fantastic because they raise the profile of entertainment within the public domain, and the more people talk, the better the outcome for industry. “The acts that have come out of Britain’s Got Talent have longevity and an ability to entertain but I am less convinced with how great the acts are on The X Factor. But it gets everyone talking. “People use these acts for the same reason that they use any TV personality, it’s kudos, a talking point. Whether that act is better than someone who hasn’t had TV exposure is a different matter altogether.” Continues Archer: “I can really judge demand by the fees that acts command as fees are simply reflected by demand and supply. For example, we worked regularly with Flawless pre and post Britain’s Got Talent and their demand and fees increased nearly five-fold as they have become media names in their own right and they have remained at the same fee. Then there are acts such A3 and Stavros Flatley, who have seen a peak in their demand and fees following the show followed by reduced fees as demand has waned. When looking at Olly Murs for example, his career was launched through the show and his fees remain high following his post show album successes.” Yet, is what’s right for TV right for a corporate or live audience? Heaton Wright
explains: “TV performances are quite different from live ones: you have to perform in a completely different way. Also – dare I say it – performers that were reliant on auto tuning and other production tricks to make them appear better tend not to present themselves well live. “I am sure people have read reviews for reality show ‘stars’ that have no stage presence and can’t hold a tune when
Emotions equal memories and memories are what every organiser wants their audience to have singing live. I don’t want to sound like a grumpy old woman but having been in the music business for a few years there’s no such thing as ‘overnight success’; there are skills you acquire by performing in pubs; at community events, time and time again, so when the big break comes, you’re ready for it. Our AV partner tells stories of well known X Factor stars that didn’t have a clue how to use different types of microphones; where to stand to get the light on stage etc – a TV show where they have sung for 90 seconds and been rehearsed constantly is very different from live performance. “Production companies are having to work harder to show that person in a better light. Then, there’s the issue of
adam Sternberg
54 www.standoutmagazine.co.uk
budget. A client may chose a TV show act to perform two songs, leaving them with no budget for anything else. That’s when entertainers get asked to perform for free with clients saying ‘but you’ll be sharing the stage with X’. These performers are professional performers and need paying too.” Corporate entertainment suppliers maintain that the events market is steady,
particularly as Christmas season comes into view and awards dinners and ceremonies kick in also. But Shaun Warren, director, PSW Hire, says that the market is still dogged by last minute enquiries and short lead times. “Currently we’ve got an enquiry for X Factor finalists for a corporate party in November, we’ve got an enquiry for Rebecca Ferguson for a corporate party in France and we have Gay and Alan, the bell ringers from BGT, for a team building event for a staff party,” continues Archer. “We’ve also had an enquiry for Aquabatix for a corporate family fun day and a 10-day repeat tour for Glowbot for Smirnoff’s Battle of the Clubs. We have Peridot booked for a corporate event in December, have recently sent Spellbound to Qatar for the opening of a new shopping centre, and we have a further two enquiries for Flawless for corporate dinners.” So it appears demand is high. But, according to Sternberg, people are beginning to use entertainment differently. Which begs the question – can such performers adapt as much as the professionals, or do they still have too much to learn? “Entertainment is no longer the fluffy frivolity that you get at the end of an event. Now, entertainment successfully conveys a brand and messaging in an emotional way. “If you ask someone what was the first concert that they went to then they would probably remember. But ask them what was the very first conference that they went to and they might not. Emotions equal memories and memories are what every organiser wants their audience to have.”

Tweeting moments @Queen_UK Dear Olympic visitors, one should like to introduce you to an important British tradition: Gin O’Clock. Make one’s a double.
Ken Clayton, director, Reftech Services, questions whether social media can really make a difference to your event, and also asks where’s the proof?
@DannyBoyleFilm I just want to take a moment to thank everyone involved tonight, couldn’t have worked without you. Thank you, thank you so much.
t
here is no doubt that social media is, if not at the top, then very close to the top of the list of gizmos being promoted by various evangelists as a “must have” for event organisers. The trouble is that there appear to be no studies saying that “this event used social media like this and this was the benefit”. Trawling through the Facebook pages of a few events recently shows that the level of “engagement” is on a par with the comments posted on users’ own Facebook pages. On a personal level we can catch up on the antics of our Facebook friends’ animals, the time at which people are going to bed or what they had for breakfast. The disappointing thing is that this is also often the level of contribution on exhibition and congress Facebook pages. Somebody is on their way to a show, somebody else is excited to be there and various exhibitors are saying “Come and see us on stand…”. Is this really going to have any effect on attendance? It seems unlikely. There have been success stories, although none as yet that show social media being used to increase attendance at an event. In South Africa, Reckitt Benckiser ran a campaign in support of International Breast Cancer Awareness Month. It included a Facebook page that people could use to donate money and watch the donations
@iogig So if the UK viewing audience was 27 million, and it cost £27 million then it’s the best bloody pound I have ever spent
Ken clayton
mounting up. The page attracted 4,000 fans and contributed to a total of nearly £8,000 raised through several media. That was good but it still does not show how social media can improve attendance at an event. But the potential is clearly there. For example, English Heritage established a Facebook page to promote its flagship Festival of History event in July. Torrential rain on the night before it opened meant that the event was cancelled. The difficulty was to get the message to the 2,000 or so re-enactors who were camped over a wide area ready to take part in a series of re-enactments. Many saw the cancellation announcement on Facebook before they heard it from stewards on the site. So, the potential exists but at present social media seems to be in the same position as radio after it was first invented: it looks as if there is huge potential in it but nobody yet has worked out just how to harness it.

Social media
What’s your social status? According to new research, an organiser’s primary role for social media is to increase awareness of their event and experiential activity. But what about ticket and product sales?
a
new study popped its head above the social media parapet recently that backed up what most social savvy marketers already know – social media is one of the most important marketing tools for event organisers. According to Amiando, the most frequently used social media channels for event organisers are Facebook with 84 per cent, followed by Twitter with 61 per cent and XING with 46 per cent. Interestingly though is the fact that increasing event awareness is an organisers main objective. And more specifically, raising awareness of individual events (70 per cent) and for the brand as a whole (70 per cent). Because of its popularity, three-quarters of respondents are planning on extending their social media activities with some reporting. This summer, Big Cat Group ran an awareness and PR campaign to promote The Voyage, just one of a number of events that featured as part of London 2012’s Cultural Olympiad. The outdoor performance, directed by Motionhouse and Legs On The Wall and produced by Birmingham Hippodrome, took place on a 50-foot passenger liner at the heart of Birmingham City Centre. Featuring over 150 dancers, aerialists, zorbers, a marching band, gospel choir and projections, the show saw audiences of over 15,000 come to watch three free performances.
The Voyage received 1,069 followers on Facebook and 798 on Twitter
Social media was considered an essential platform to update the general public. Facebook and Twitter were used to inform the public on the latest developments of the show, how the build and rehearsals were going as well as a few fun elements such as a competition to name the ship. Social media proved essential – due to torrential rain on the first night the show had to be postponed because of health and safety concerns. Social media was crucial in informing people about the change in schedule with the following performances (June 22-24) going ahead as planned. The events partners – Birmingham Hippodrome, Birmingham City Council and Visit Birmingham – promoted the event via social networks too. In total, The Voyage Facebook page received 1,069 followers with a male v female interaction of 69.5 per cent female and 28.9 per cent male. Twenty-seven photos, photo albums and videos were uploaded by fans compared to YouTube,
which saw 57 videos uploaded with 2,645 views. The event received 798 Twitter followers, and the organisers tweeted 283 times. The event got 107 views on Flickr and the event’s website received 22,7000 unique visitors. Huge surges in web traffic close to the event were a result of social media, and whilst final survey results have yet to be rationalised, the organisers have no doubt that channels such as Twitter and Facebook aided their campaign, complementing a mixture of digital and print marketing.
Brand push Many marketers argue that social media complements below the line activities, working well alongside experiential campaigns and sampling. Dreamies, a Mars Petcare brand, is a petfood treat for cats. It was launched in the UK in 2009, and in spring and early summer 2011, the brand was earmarked for a major marketing push – it was discovered that cat treating is not front-of-mind among owners.
www.standoutmagazine.co.uk
59
Social media
The Voyage was created by motionhouse and legs on The Wall
This is reflected in consumer behaviour, with research showing that only 43 per cent of cats get treats from their owners compared to 80 per cent of dogs. Working alongside Mars Petcare’s advertising agency, Carbon helped create a campaigning movement, a furry crusade to Treat Cats Fair. Its aim was to level the treat playing field, raising the question of fairness, as dogs receive treats more than cats. By doing this, Carbon could increase the awareness of Dreamies Cat Treats.
cat crusade Carbon embarked on a cat crusade – using social media to amplify the campaign as widely as possible. Five sampling teams hit the streets, each led by their own costumed Derek, the Dreamies cat. Each team was equipped with a branded campaign kit including soap box, megaphone, stickers, balloons and cat-like accessories. The teams were tasked with finding cat owners and had to emulate typical cat behaviour; playfulness and cheekiness. Once they had pounced, they distributed 30g samples of Dreamies along with the Treats Cats Fair campaign manifesto, which offered consumers a 25p off Dreamies coupon. The sampling was aligned with a TV campaign showing how much cats crave Dreamies, and a Facebook page was established as a social hub. Social media would be used to campaign for support, while experiential activity allowed the brand to take to the streets for the cause. The live marketing activity was shared in real time on Facebook, adding to the social interaction, while consumers were encouraged to join the brand’s growing community of Facebook supporters for the Treats Cats Fair campaign. Derek set up Cats United For Treats (C.U.F.T.) on Facebook where he launched
60 www.standoutmagazine.co.uk
the Treats Cats Fair campaign. Membership of C.U.F.T. was open to all cats and their owners. A series of postings invited comment, and video content was also uploaded to the site. Video content consisted of a series of unbranded comedic films starring Derek and his costumed friends. The films exposed the shocking truth about the unfair treatment of cats and asked what it was that cats had to do to get the treats they craved. The films, acted out using Carbon’s costumed staff, saw cats performing typical dog tasks like standing to beg and fetching a ball. The videos were seeded widely using other social media platforms such as YouTube. Meanwhile Derek began dropping hints on the Facebook page that he would strike a blow for the cause by getting his hands on two million packs of Dreamies for all cats to share. Finally, one of the films – shot ironically in the style of Reservoir Dogs – showed
carbon went on a cat crusade
Derek and his cohorts “liberating” two million packs of Dreamies from the Dreamies Warehouse – and revealing their intention to distribute them freely to cat owners throughout Britain. In all, the sampling saturated 115 key cities and towns over 23 days. It was mapped using TGI to prioritise areas with high numbers of cat owners and further layered with demographic data and retail purchase points. Cat owners, and their cats, were asked to support the campaign by liking it on Facebook. Carbon considered the campaign a great success with 830,000 samples distributed, 805,410 Treat Cats Fair manifestos handed out and exposure to 2.5 million people over 115 towns and cities. And in terms of social media success, close to 20,000 fans became highly engaged in the Facebook community. Proof that social media is an essential tool in any brand campaign.

Sky trail Skyfest, Sky’s annual employee recognition event, is a series of exclusive boutique festivals for Sky people, their family and friends. In 2012, Skyfest expanded, introducing three new regional events. Here, Nathan Homan, creative director, Rouge Events, which organises Skyfest on behalf of the broadcaster, talks briefs, logistics and location What was the brief and how was it met? The design and format of Skyfest needed to maximise capacity, duration and entertainment choices for the event. Above all the festivals need to reward and engage all members of the business and to be fun! Rouge was again responsible for the design and delivery of all the Skyfest events – a massive logistical task with five grass fields to transform into full working festival sites with toilets, trackway, fencing and associated structural works including rain cover for up to 10,000 people at any time. As the Skyfest audience is diverse, Rouge also needed to deliver a huge mix of content to entertain all ages. This included designing interactive, engaging activity areas to showcase Sky’s own channels and partner channels such as Boomerang and UKTV.
What was the solution? The challenge of the brief was to create a two-day event that works for an adult-only audience on day one and a family audience event on day two. Much of the content from the adult evening needs to be replaced overnight in time for guests arriving at 11am the next day. This was made possible with careful planning and tight scheduling of overnight crews. Skyfest offers a huge variety of entertainment from headliners on the main stage such as Example, The Cribs, DJ Fresh and Stooshe, Sky Local bands on the bandstand to interactive channel areas such as makeovers inspired by the glamorous stars of Keeping Up With The Kardashians by E! Entertainment Television, Animal Planet’s Hammer Time shark ride and SpongeBob SquarePants’ Bikini Bottom from Nickelodeon.
Producing five outdoor events around the country within six weeks requires a significant operation, especially for Skyfest London and Edinburgh. The Rouge management team is led by head of agency Victoria Walker who is executive producer across all events. Our dedicated full-time team consists of one producer, three event managers and three event coordinators and the planning begins around November each year. The Rouge team is supported by a fantastic group of suppliers, freelance experts and the total workforce is around 200 staff on-site. It is also very important to Sky that the event has the same slick technical production values as its programming and this is especially true of the main stage content. One further challenge of the brief is to create an event that has a genuine “festival feel” but executed with the same high standards of a corporate event for a leading brand.
Skyfest expanded to include three regional events – what was the rationale behind these new additions? For the last three years there have been two large Skyfest events in London and Edinburgh. There have always been a number of much smaller regional events organised locally around the country. The Sky population has grown in recent years so Sky took the decision to give all of its people the opportunity to experience Skyfest, not just those based in London or Scotland.
the regional events took place in Leeds, Birmingham and Bristol
Skyfest rewarded staff for their hard work
Whatever the weather – the show must go on
Slick technical production is key
– why these locations and what influenced your venue choices? After mapping the locations of Sky’s regional campuses these locations were the most central and most accessible to the largest number of Sky people. A major consideration in choosing sites is accessibility for both adults and families – there needs to be good public transport links as well as ample parking, with suitable terrain for both buggies and wheelchairs.

Skyfest 2012 saw the addition of a second music stage
Noise control is also a key factor – London and Leeds are urban, inner-city locations.
What was the registration process?
2012 has seen Sky’s channels and partner channels significantly increase their on-site presence at Skyfest, greatly adding to the variety and diversity of entertainment that is on offer. Sky also launched a talent competition with the winners given the chance to perform at the event. Anyone from Sky could enter their band or as a solo artist – a fantastic opportunity to be on the same bill as the headline talent. It was hugely popular and Sky people loved seeing their colleagues up on stage.
Skyfest has its own website where employees register to attend using their Sky employee number. Guests are issued an e-ticket, which they print and bring with them to the event. We use DataFlow Events for the registration software, which also provide scanning systems on site.
Did you source suppliers local to your regional events or have you found out it more cost effective to use one supplier for all five?
Did each regional event adopt the same format as the established London and edinburgh events?
Core suppliers such a technical production, security and catering were used across London, Edinburgh and Leeds, whilst smaller local suppliers were used for Birmingham and Bristol.
How many Sky employees attended each site? Just over 10,000 Sky people and their families attended Skyfest London and Edinburgh. Leeds around 3,500 and Birmingham and Bristol around 2,000 each.
The two larger events follow the format of a great night of music for adults then a day of fun for all the family, while the three smaller events combined the best parts of Skyfest into one day. All of the events included live music and entertainment on the main stage, a free gourmet BBQ, funfair and lots of other interactive content such as the Big Dig with History and the Boomerang petting zoo.
this year’s Skyfest saw the introduction of a second music stage – how else did Skyfest 2012 differ to previous years?
64 www.standoutmagazine.co.uk
Looking back, what lessons have you learned – is there anything you would have done differently? This is the fourth year that Rouge has produced Skyfest so the production is a well-oiled machine. We consistently work with great suppliers that help to deliver a really successful series. Even with the introduction of the three new events the summer has run smoothly. As with all outdoor events in the UK if we could change one thing it would be the weather!
A large team of events professionals worked on Skyfest – APS Security, Arc Marquees, Blistering BBQs, DBN, eve, Gallowglass, Imagine Believe, kayam and Peppermint Bars all supplied Skyfest with kit and services
Looking ahead, has early feedback given you an indication of plans for 2013? Skyfest has been really successful again this summer and the new regional events have been received really well. Whilst the plans 2013 are yet to be discussed what we do know is that central to any design will be a belief in making them even better.
