ast month, Massive Attack published details of how it plans to tour in 2022. The aim of its Roadmap to Super Low Carbon Live Music is to help educate the entire sector and arm it with resources so that live events, festivals, and touring professionals can reduce emissions and move forward in a sustainable way. This month, the band Coldplay has nailed its sustainability colours firmly to the mast and has also unveiled details of how it plans to produce its world tour in 2022. The details prove insightful reading and are highlighted in our latest feature on event and festival sustainability (page 19). Coldplay plan to use a kinetic dancefloor, solar tiles and HVO fuel, and have meticulously planned their tour schedule to minimise travel. What’s more, they have pledged to adapt the show design so that local equipment, materials, and resources can be used. Prior to COVID, serious environmental momentum had built. Event and festival organisers were ready to push on with their sustainability journeys and I do believe that the sector would have made significant progress if a global pandemic had not put the brakes on our industry. Thankfully, the brakes are off but now, it seems everyone is travelling at 100mph. And, if we’re not careful they’ll soon be an accident. The security industry, for example, is warning of severe shortages (page 51). Crew and staff are running at dangerously low levels and staff are not match fit. However, environmental sustainability can only progress if people are considered alongside the planet. It’s a point raised by the wonderful team behind Storm, a ten-metre tall puppet that has roamed Scotland this summer, highlighting the plight of our oceans, rivers, lochs, lakes, and coastlines (page 24). With Glasgow getting ready to host COP26 – an event being delivered by Michael Gietzen’s Identity – there is one huge spotlight being shone on world leaders and the steps they plan to take to tackle climate change. Furthermore, the events industry is watching Identity, the event agency, to see exactly how it delivers this high-profile event. Lynsey is managing director of Vision Nine Group, organiser of large-scale music and action sports festivals, such as NASS and Boardmasters, with audiences of 105,000 and 220,000 festivalgoers respectively. Lynsey’s experience spans 15 years in the industry, across a range of festivals and events in the UK and globally, including significant spells in senior operations roles at IMG and Royal Horticultural Society. This month, Lynsey talks about Vision Nine’s decision to give all employees an extra week off work and time to recharge. This article is interesting as it addresses what companies in the live events industry are doing to support their teams after a difficult year.

Postponing Manchester Pride resulted in £2.5 million loss An annual report by the charity that runs Manchester Pride Festival has revealed that postponing the event in 2020 resulted in £2.5 million in lost revenue. Manchester Pride Limited, a registered charity, stated that postponing the festival led to an 85 per cent drop in turnover. Furthermore, the charity was also hit by a 92 per cent decrease in donations – £114,000 in 2019 vs £9,000 in 2020. As a result, trustees were forced to make “difficult decisions”, including staff redundancies, voluntary pay cuts and a temporary stop on grant funding. COVID-19 rendered Manchester Pride unable to deliver a programme of physical

events. Instead, it curated a three-day virtual celebration of LGBTQ+ life called the Alternative Manchester Pride Festival. Paul Wheeler, chair of the board of trustees of Manchester Pride, said: “Despite 2020 being a difficult year for Manchester Pride, trustees are excited about the year ahead and the opportunity to work with all stakeholders to ensure the charity is even better in 2021 and beyond. “We are working hard to learn the lessons from COVID and apply them to what we hope will be a physical festival in 2022.” Manchester Pride Limited received £553,642 from the Government’s Culture Recovery Fund.

Ops People launched by Event Site Design’s Rupert Bassadone Rupert Bassadone, founder of Event Site Design, has launched Ops People, a standalone event operations, site management and exhibitor management company, created in response to increasing demand for event management skills and expertise. Bassadone launched Event Site Design, which specialises in event site plans and mark-out, in January 2019, working with many organisers to perfect site layout. However, growing demand for additional event support has led Bassadone to create Ops People. He said: “More and more, I kept getting asked if we’d do more than design and mark-out the sites. I didn’t want to blur the purpose and direction of Event Site Design. So, Event Site Design will continue to focus on providing industry-leading CAD plans, site design and GPS mark-outs whilst Ops People will take on the event management fulfilment. “As we gear up to an incredibly busy 2022, it’s important that we start as we mean to go on. We’ve been running this business under the Event Site Design banner for two years but it’s time it had its own brand.” Ops People will provide the event operations to events and festivals with events professionals running all operational

elements so that clients can focus on promoting and selling tickets. Bassadone continued: “We’re a nononsense, system-driven event management company that has a team of people behind it with decades of experience producing largescale events and festivals. We’re particularly passionate about our radically transparent approach to working with our clients, with full exposure to our project management systems and process principles.” From providing full operations through to site management and exhibitor management, Ops People offers a range of services. “We’ve developed our own procurement system to manage event production as well as our own exhibitor management manual system,” Bassadone added. “Each service can be provided as a standalone or as part of a package.” Ops People is already supporting Red Bull, WOMAD, BBC Countryfile, Orchard Live, The Jockey Club and News UK with services. Bassadone concluded: “I want Ops People to give event promoters and organisers peace of mind. Knowing that we’ve got the proven systems to run the events, and the experienced and happy people to run the systems.”

NEWS IN BRIEF Eroica Britannia, the vintage cycling festival, is moving location. The 2022 event will take place at the Goodwood Estate. Gateways Festival (July 23-24) has announced a slight change in format for 2022. On July 22, its organiser will also produce an open-air classical concert – Gateways present The Great Yorkshire Dales Proms. Prestige Events Magazine has launched the Sustainable Events Show. It will take place at the Barbican Centre, London, on November 25. An additional £450,000 has been made available to event and festival organisers, as part of Scotland’s Events Recovery Fund to help the return of events across the country. Tysers, the insurance broker, has launched two schemes – Tysers Freelancers and Tysers Elite – designed to reflect the new live events landscape. The Yorkshire Agricultural Society has announced that the Great Yorkshire Show will become a four-day event – it will run from July 12-15, with limited attendance on each day. OnePlan has released a new version of its suite of event and venue planning tools specifically designed for organisers of Christmas markets. Wembley Stadium will offer British Sign Language as a guaranteed service at every live concert. A new sustainable aviation event, Sustainable Skies World Summit, will take place at Farnborough International in January 2022.

Second festival location for Camp Bestival Camp Bestival has revealed plans for a second festival location. Camp Bestival Shropshire, a stand-alone event, will head to Weston Park from August 18-21, 2022. Speaking of the announcement, festival co-curator Rob da Bank said: “Whoop! The da Bank house is about to explode with excitement that we can finally announce our first new festival for many years as we unleash Camp Bestival Shropshire! Set in the heart of England, Josie and I couldn’t be prouder or more delighted to have

finally found a site that’s not only worthy of a second Camp Bestival, but is also beautiful. . “Following the success of Camp Bestival in Dorset, we’re over the moon to be adding this new event to our festival family to meet popular geographical and practical demand. We plan to give this festival as much love and attention as our heritage festival in Lulworth and can’t wait to see you all back at one or the other… or possibly both!” Camp Bestival Dorset takes place at Lulworth Castle from July 28-31.

VISION NINE AT BOARDMASTERS

Take a break

After a gruelling events season, Vision Nine rewarded hardworking staff with an extra week off work. Lynsey Wollaston, managing director of Vision Nine Group, reveals why the business went the extra mile to support its employees

021 was one of the most challenging years for events professionals. Even the simplest of tasks (or what should have been) tested the most experienced teams. Complex Government guidelines, uncertainty and speculation, critical supply chain issues, and staffing shortages exacerbated what is already regarded as a stressful job. So, what have event businesses done to support their employees’ mental health and wellbeing? “We shouldn’t downplay the physical and mental strain that’s been put on everyone who works in this world,” comments Lynsey Wollaston, managing director of Vision Nine, organiser of Boardmasters and NASS. According to Wollaston, organising Boardmasters felt “incredible”, but 2021 has not been without its challenges. She continues: “We were one of the first to go ahead with a large-scale festival when we did [Boardmasters], with lots of new and complex Government guidelines to put in place, and then we were faced with uncertainty

and speculation about the Government’s restrictions ahead of our September festival [NASS], which forced us into cancelling for a second year.” She adds: “It’s been a tough time for us as a team, but I continue to be impressed and grateful for how our team and all our partners work together and support one another. As a thank you, and to make sure everyone got a chance to reset, we gave all staff an extra paid week off this year to turn emails off and spend time with friends and family.” Wollaston calls the decision to give employees an extra week off work a “no brainer”. It was not a hard decision, given the challenging year experienced. She explains: “We have a very hard-working team, who’ve powered through a rough few years. This was our way of saying thank you, showing our appreciation, and for the first time all of us taking a full week off as a business. This was a chance to see friends and family, spend quality time with loved ones and really reset, with time away from emails and screens.”

TEAM WORK

Now, the Vision Nine team is back at work and “raring to go”. At Christmas, the team will take a similar break and the company is also keeping in place a flexible working policy, which enables staff to spend time working at home. However, face-to-face time in the office is important too. “It is really important to us that we look after our team and that will, at times, mean being dynamic and responding to any challenges each year brings,” Wollaston explains further. “There is no doubt that 2021 has been one of the toughest years in our industry. None of us could have envisaged that 18 months on, we’d still be faced with this level of uncertainty. “Currently, we’re continuing with what we know and love. Our events will be back bigger and better, with festivals on sale very soon. Right now, we’re planning, streamlining, and getting ahead of the residual challenges, which the events industry is still facing.”

Digging deep RHS Chelsea Flower Show’s deputy operations manager, Tay Murray-Webb, talks to Stand Out about changes to the horticultural event, the first autumnal show in 108 years

I

t looks like carnage out there,” says Tay Murray-Webb, deputy operations manager at RHS Chelsea Flower Show. Murray-Webb talks to Stand Out from the comfort of a warm cabin, as the society’s flagship flower show is stripped bare. Temporary structures are coming down, trackway is coming up, and copious cables are being ripped out. Murray-Webb keeps a watchful eye on the action. Despite working at the Royal Horticultural Society (RHS) for five years, this year was her first working on the illustrious RHS Chelsea Flower Show. “It’s nice to be back doing what you love, and it’s mad how you fall back into your old routine,” she continues. But that doesn’t mean it’s not been an “uphill struggle”.

DIFFERENT EXPERIENCE

Chelsea Flower Show 2020 was cancelled, and it was initially thought that the 2021 horticultural event could go ahead in May. However, it did not. A call was made, and the event was pushed back until September. It was the first autumnal Chelsea Flower Show in 108 years. “Leaves on the ground” made it a very different experience. “We’ve had a few bumps in the road,” Murray-Webb explains. “The COVID goal posts have been moving and so it’s been hard to plan when you don’t know where the winds are blowing.” She adds: “The venue has been helpful and accommodating and our suppliers have been great but even with amazing support it’s been a struggle.

“When we moved the show to September, lots of other shows had done the same; it was tricky getting bits of kit. We also had a tight schedule. Our build stayed the same, but our show ran for an extra day.”

OPERATIONAL CHANGES

Murray-Webb and the RHS Chelsea Flower Show team – Sarah Jerrold, operations manager, Jade Swain, project manager, Gemma Lake, show manager, and Mike Herbert and Bob Hudson, health and safety officers – had to think long and hard about how they could adapt the event and deliver a show that loyal audiences would love. However, it also had to tick a lot of COVID-safety measures. What could be done to make visitors feel safe? “We racked our brains out,” comments Murray-Webb. “Our structures had more ventilation and were open and airy, we removed catering structures and replaced them with an open-air food court and our show gardens could be viewed from three sides, rather than two.”

EXCITEMENT FOR MAY

As Murray-Webb chats, she announces that there are just 29 weeks to go until RHS Chelsea Flower Show 2022. The event is returning to its traditional slot in May. The short turnaround puts added pressure on the operations team to produce the revered flower show. “Chelsea is special and there is only one RHS Chelsea Flower Show. It has been fantastic to produce something different, but I am excited to be back in May.” She concludes: “It has been great to be able to be back in a field once again with everyone. It’s a sharp reminder that we really do work with some great people.”

SUPPLIERS LIST She continues: “RHS Chelsea Flower Show is well-loved. It’s a tight site, so there isn’t a lot that you can do with it, and it has such legacy but when you’re restricted you do often come up with other great ideas.” Some marquees were replaced with stretch tents. These provided cover for the autumnal weather and gave visitors welcome shelter against the elements. Capacity also decreased, with 142,000 visitors attending the show from Tuesday to Sunday, compared to 168,000 (normally) when the show runs from Tuesday to Saturday. So, what impact did moving the event from spring to autumn have on operations? “There has definitely been less certainty this year and we have been planning for something that you are also anticipating not

going ahead. It has just meant that you have to be so alert. “I spent most of my year on CAD,” MurrayWebb explains. “We had a big think about our welfare facilities and opened up our site as much as possible. There was more coffee than ice cream being sold, and we had to look at our stewarding plans more carefully; what would we do if it rained, for example? “Also, we bolstered our Wi-Fi so that we could support exhibitors, as we pushed cashless payments.” She says: “I am pleased that we did go ahead. It’s not just been great to see the show open its gates again, but the new setting has been so inspiring, and it has given other plant nurseries the opportunity to come along to the show.”

A growing number of event and festival organisers are creating sustainability charters and manifestos. Here, events professionals discuss their sustainability plans and initiatives

I

n 2019, Coldplay made a huge public statement and told fans that the band would no longer tour until they had worked out how to do it in a more sustainable way. Fast forward two years and Coldplay has announced that they will begin a world tour in March 2022, powered by solar tiles, HVO fuel, and kinetic energy. They will also plant a tree for every ticket sold, build the stage from low-carbon materials, and provide each tour venue with a sustainability rider, requesting best environmental practices. The tour – Music Of The Spheres – will hit the UK in August. Its announcement comes with a comprehensive set of sustainability initiatives and environmental commitments, including ethically and sustainably sourced merchandise, Sustainable Aviation Fuel, and renewable, super-low emission energy. Together with Green Nation, Live Nation’s sustainability platform, Coldplay will be a “special artist advisor”, ensuring the sustainable practices developed on the tour are shared, adopted, and scaled through the rest of the live touring industry.

In a statement, the band said that playing live is why Coldplay exists. But whilst they love playing live, they are conscious that the planet is facing a climate crisis. The band commented: “We’ve spent the last two years consulting with environmental experts to make this tour as sustainable as possible, and, just as importantly, to harness the tour’s potential to push things forward. Such a joined up, partnership approach is widely accepted as the way forward. Information sharing is vital and it’s as important to educate people internally and externally if progress is to be made. Roy Luxford, programme director at Edinburgh International Festival (EIF), concurred. New ways of working can only be achieved through knowledge sharing and collaboration.

This year, EIF made some changes to the event. The organisation is particularly keen to reduce its carbon impact and has subsequently published a Sustainability Policy and Carbon Reduction Plan. Luxford explained: “The International Festival is an unparalleled celebration of the performing arts and an annual meeting point for people of all nations. We recognise the impact that our activities can have on the environment and are committed to reducing these impacts by setting and achieving clearly defined objectives and targets, as well as developing frameworks to achieve continual improvement. “The 2021 International Festival involved significantly less international travel in the case of artists and audiences due to COVID-19 travel restrictions, so we will benchmark future emissions against the 2019 festival. This year we introduced artist residencies to further decrease the carbon intensity of our programme, with Scottish violinist Nicola Benedetti, bass-baritone Thomas Quasthoff and the Chineke! Orchestra all in residence at this year’s festival. We also published our Sustainability Policy and Carbon Reduction Plan, adopted a carbon offsetting scheme, and replaced all festival building light fittings with LED.” The Edinburgh International Festival’s sustainability priorities are to reach net-zero carbon emissions across its organisational operations by 2030 and across its artistic programme by 2045. It also wants to work with partners to instil

sustainability best practice from inception to delivery of the festival and embrace new models of working with companies and orchestras to reduce carbon impact.

This will either be sold in BHF London shops or recycled. Plus, LME encouraged all participants to wear a bottle belt, which helped reduce use of bottles on the course.

GREEN TARGETS

DRIVE SUSTAINABILITY FORWARD

The Royal Horticultural Society (RHS) has also been looking at its sustainability policies. In 2018, it engaged A Greener Festival and is now working towards rolling out a Sustainability Policy specifically for RHS shows. It would encompass the RHS’ existing environmental regulations whilst setting out new “green targets” as all RHS shows are planned. At RHS Chelsea Flower Show, the aim is to impose a ban on all single use plastics at front of house by 2022 and back of house by 2025. The event has already made a positive switch to biofuel generators, which will significantly reduce carbon emissions, saving more than 52,000 kg of CO2. Plus, the team is looking at ways to reduce water consumption by, for example, switching all toilets to ones that use a vacuum system, reducing water use in toilets by up to 90 per cent. Water usage is of huge concern and has been a key focus for many organisations, including London Marathon Events (LME) and LimeLight Sports. This year, London Marathon used electricpowered lead vehicles, and all venue generators were powered by HVO fuel. LME also partnered with The British Heart Foundation, which collected more than 17 tonnes of discarded clothing at the start.

Gemma Marks, client services director at LimeLight Sports, is the company’s sustainability lead and champion. In January, LimeLight launched a sustainability manifesto, addressing its long-term commitment to social, environmental, and economic sustainability. It is specifically designed to track progress. Marks explained: “When we launched the manifesto, we always knew that 2021 would be a benchmark year, a year of review before we drive improvements in 2022.” LimeLight Sports delivers a series of mass participation events, including Hackney Half Marathon, Oxford Half Marathon, Asics London 10k, and Royal Parks Half Marathon. This year, at the Hackney Half, Oxford Half and Asics 10k, the LimeLight team worked especially hard on sustainability. Kit bags were removed, plastic bottles were removed from site, and race routes featured 100 per cent recyclable cups. “At Hackney Half we had 25,000 drawstring bags made from 2019’s leftover event t-shirts,” said Marks. “At Asics London 10k, we gave people the option to opt out of receiving a t-shirt and plant a tree instead – 1,000 people did.

SUSTAINABILITY “At the Blenheim Palace Tri-athlon and London Triathlon, we had dynamic pack assignments. Instead of sending participants their race packs pre-race, we gave them their race numbers on the day. This saved us from duplicating spares and there was no postage and packaging. “But at Royal Parks Half Marathon we took a big step and asked runners to be self-sufficient with their hydration. Water stations create a lot of waste. We used to have five water stations on the route, which all needed staff, furniture, and bowsers. In 2020, when we asked people to take part in the Virtual Royal Parks Half, people had to look after their own hydration. Making this move has potentially saved 70,000 cups and the associated water waste.” The Royal Parks Half did feature water refill stations at three points on the course and at the finish, but these were set back from the route. Marks said that LimeLight is committed to trialling new solutions, particularly those that reduce water consumption and waste. However, a big education piece is needed to ensure participants are aware of new measures and it’s important to ask participants what’s important to them, with data used to inform future planning. Now, LimeLight and Marks is working with Sara Tomé, sustainability manager at Royal Parks, to calculate the event’s carbon footprint. Again, this will drive improvements in 2022. Marks continued: “In 2022, we will seriously focus on driving sustainability forward, making sure it is built into every decision and thought process.”

DETAILED INFORMATION

According to Marks, changing behaviour will be a huge comms piece. Parklife has signed a sustainability charter and has pledged to share sustainability goals and adopt transparency. This is the way forward for many organisers. Pauline Bourdon, sustainability and social cohesion coordinator at Team Love, organiser of Love Saves The Day, agreed. Team Love surveys customers to discover what they want from the festivals they attend, and the consensus is that festivalgoers want to know more about sustainability, and they want detailed communication, not generic information. At Love Saves The Day, Team Love powered the festival with HVO fuel, used compostable toilets back of house and near the main stage, and used reusable cups. The company also issued traders with sustainability guidance but did not enforce rules, given the difficult trading year they had experienced. In 2022, Love Saves The Day will take place at a new site – Bristol’s Ashton Court – so Bourdon and her team will capture essential data and use this to move forward and create a five-year sustainability plan.

“A responsible event is a sustainable event,” said Stuart Knight, commercial director at Quintessential. “There are lots of statements being made about zero carbon events, but you can never achieve everything in year one. It’s important to set targets, then review, listen, and listen again.” Quintessential, the brand experience agency, recently produced a Sustainable Events Charter. Pre-COVID, the agency carried out a lot of work, ensuring it was focused on the future and future event production.

Quintessential works with Hewlett Packard Enterprise’s Aruba, delivering its’ annual conference for 3,000 people, cutting waste, truck movements, and water bottles and utilising modular infrastructure, for example. Knight concluded: “In 2022, I think sustainability will be part of a wider conversation, but people will struggle to sell in sustainability if there’s a cost increase. It is possible to be cost effective, but you need to do the work and the planning. Better planning gives you better results.”

Kicking up a storm Storm, a ten-metre-tall puppet, is touring Scotland’s coasts and lochs with an important environmental message. Here, Vision Mechanics, Storm’s creators, talk of her important journey

A

ten-metre tall puppet is roaming the Scottish coast, encouraging audiences to celebrate the seas, care for our coastlines and put the environment first. Storm, a giant puppet made from recycled and natural materials, is the brainchild of Vision Mechanics, an Edinburgh-based community events and arts specialist. Devised by Symon Macintyre and Kim Bergsagel – Vision Mechanics’ artistic director and creative director respectively – Storm is a folklore giant, a “goddess of the sea”, which has been engaging communities in cities, towns, and villages across Scotland. But whilst she carries an important environmental message, her own journey has been met by changing tides. Tom Watton, Storm’s project and production manager, explained: “Vision Mechanics ran a project in 2009 called Big Man Walking. It was very successful. Three or four years ago, they were itching to do something big again and so began fundraising. They got themselves in a position to deliver another great project.” Vision Mechanics applied to EventScotland and Creative Scotland for funding. The organisation won vital monies and support, which were matched by Culture and Business Fund Scotland. Storm was born and unveiled in 2020. Then COVID hit.

CELEBRATING THE SEA

It was Vision Mechanics’ vision for Storm to appear at a range of different events in 2020, especially as Scotland was all set to celebrate a year of Coast and Waters. Storm’s environmental message – that our oceans are in crisis – would marry well with the Coast and Waters theme; water plays an important role. However, local authorities were slow to get on board. Storm was unveiled at Celtic Connections’ Coastal Connections Day on January 18, 2020. As soon as local authorities saw the reaction that Storm had, they clambered to host the giant puppet in their areas. Watton added: “In 2020, Scotland was supposed to celebrate a year of Coasts and Waters but because of COVID those celebrations were soon shifted to 2020/21.” It resulted in Watton rewriting Storm’s event management plans several times over. “This is how we’ll run the event in normal times, this is how we’ll run the event if it moves to autumn 2020, this is how we’ll run the event in spring 2021, this is how we’ll run the event with some restrictions, this is how we’ll run the event with no restrictions,” he said.

So far, Storm has visited Dundee, Anstruther, North Berwick, Irvine, Wick, Dumfries, and Nairn, emphasising the positive ways in which communities can work together. On November 6, Storm will visit Edinburgh before

heading to Glasgow, where the plan is for her to meet Little Amal, a 3.5-metre-high puppet, shining a light on the plight of refugee children, as world leaders gather for COP26. The idea is that the puppets will symbolise a meeting between people and the planet, as sustainability only truly works if people are cared for too. “Storm changes wherever she is,” Watton continued. “What she does depends on the area we are in, and a setting can totally change the way the event feels.” Vision Mechanics has worked with several community groups. As she moves location, she interacts with different people. Yet her message remains the same; we must protect the world’s valuable waters and coastlines.

MORE THAN A PUPPET

A small close-knit team of people are charged with delivering the project. Storm moves aided by eight puppeteers and each

event is supported by another ten events professionals and 20 to 30 volunteers. Made entirely from recycled materials, Storm’s eyes are said to be the colour of oyster shells, her hair thick strands of kelp and her voice the chorus of the waves. In reality, 75 per cent of her structure is recycled from the Big Man Walking project, she is comprised of sustainably-sourced willow and is held upright by a Manitou MT1440 Telehandler, as Manitou continues to invest in sustainable plant. What’s more, the project is carbon offsetting its emissions through Trees for Life. “The earth won’t stop but our ability to live on it might,” Watton explained further, as he chatted about some of the project’s sustainability measures. Clever layouts, using existing infrastructure in towns and villages, has resulted in less temporary infrastructure being used. This has resulted in smaller transportation costs.

But what stands out about the project? Watton concluded: “In her awakening sequence, Storm is covered in detritus; fishing nets and plastic. The moment the music changes and her eyes open, you hear this audible gasp from the audience, even in a socially distanced audience, and at that moment she stops being a puppet. If we, as events professionals, can facilitate that magic then we’ve done our job. That’s a big thing for me and we’ve delivered an important message too.”

Back on track

For the second year in a row, the Virgin Money London Marathon took place outside of its traditional April date. Here, Mark Griffith, route director, and Penny Dain, marketing and communications director, at London Marathon Events reveal how a raft of new measures were delivered, despite fuel shortages and infrastructure challenges The London Marathon went ahead on October 3. How did planning go?

Penny: It’s been an immensely challenging planning period as we have constantly had to adapt our plans to ensure the event could go ahead. We trialled several procedures at our events earlier in the year – from the Reunion 5K at Kempton Park in May (part of the Government’s Events Research Programme), through the Vitality 10K and Vitality Mile events at Hatfield Park in July, the Standard Chartered Great City Race – the first event back on closed roads in London – and the Vitality Big Half in August. These events enabled us to refine our planning for the start process that we used for the Virgin Money London Marathon, in addition to drinks station layout and other processes.

What new measures did you implement for the 2021 event?

Penny: We put in place many measures to ensure that we could deliver the event safely. We communicated these changes to our participants through an extensive communications campaign called Six Steps to the Start Line. This included requiring all participants to show a negative lateral flow test at the Running Show before they collected their bib number. Additionally, we put in place several new elements designed to reduce crowding, dwell time and touch points at the start, on the course and at the finish. For example, we provided all participants with kitbags, which they had to drop off at the Running Show with the clothes and recovery items they wanted after the finish. We added

their finisher medal, New Balance finisher t-shirt, Buxton Water and Lucozade Sport, and transported the kitbags to the finish. This process removed baggage lorries and enabled us to remove a significant amount of infrastructure at the finish. This reduced crowding and enabled us to keep the flow of participants moving through the finish. We also asked all participants to update their predicted finish time (some entered as long ago as April 2019) so that we could place everyone in the right start wave and minimise crowding on the course. We also created another comms campaign to mitigate against spectator overcrowding, which included encouraging residents and businesses along the route to consider watching on TV and supporting via the app, to avoid traditional

VIRGIN MONEY LONDON MARATHON very popular areas and to move on from crowded areas. We asked participants to only bring one supporter with them. We developed a new app, powered by TCS, for both mass and virtual participants which provided the ability for friends and family to track runners on the course and for virtual participants to listen to exclusive audio commentary and motivational messages from Paula Radcliffe, Steve Cram and Adele Roberts and crowd noise, providing that extra bit of motivation to reach the finish line. Every finisher, whether mass or virtual, was awarded a digital certificate and medal, as well as the chance to share an official finish-line selfie with their stats to show off their achievement.

Compared to the 2019 event – the last time you had a mass start – how different was this year’s event?

Penny: The biggest difference was the start. We set off the participants in 48 separate waves, from the three different starts, over a 90-minute period. Every participant was sent personalised information about which train to catch, what time to arrive at the start, the opening/closing of their start wave and the actual start time. Another big change was the support we put in for the back of the pack. We had 50 Tailwalkers who set off at the back of the last start wave and walked at 8-hour pace, supporting and encouraging participants at the back of the field. We had a music bus at the back to provide atmosphere and the participants knew that timing mats, water and Lucozade stations would be in place all the way along. Also new this year was the Support Squad with people spaced at 400m intervals from mile 16 to the finish. They were there to help anyone having problems and, if required, to drop back and walk on the pavements with a participant to help them get to the finish if they were not able to stay with the Tailwalkers.

What challenges did you face and how did you overcome them?

Mark: As national restrictions relaxed over the summer, the uncertainty about how the event would look was the most difficult challenge. Deciding to put in the series of mitigation measures at an early stage of the planning process was the safest strategy to take. As we did not know what national restrictions would be in place in October, we knew that putting in these measures would give us the greatest chance to hold the event in the safest way. Executing this plan started from the middle of July to give us sufficient time to order items and communicate the new arrangements to participants. Our stakeholders and partners were hugely supportive throughout the planning process, and we are immensely grateful for this support. We kept them closely informed on all the details of our planning.

VIRGIN MONEY LONDON MARATHON In the months and weeks leading up to the event, it was certainly a challenge to secure kit from regular suppliers, as the event calendar had been condensed into late summer/early autumn. Securing transport, toilets, and crew were the biggest issues we faced, and the recruitment of workforce and volunteers was also more challenging. It was the first significant change to the baggage process for more than 30 years. The biggest logistical challenge was to transport the baggage items from ExCeL to the finish line. In the days leading up to the event, we had to be flexible with the installation of equipment and infrastructure. The fuel shortage resulted in some suppliers not being able to meet the original delivery and set up times and that inevitably had a knock-on effect on other suppliers overlaying kit and the overall build schedule. As we have done for the past 18 months, it was vital to continue to be agile in our delivery and the London Marathon Events (LME) team went above and beyond to ensure we were ready for Marathon Day.

How good did it feel to be running an event with a mass start and thousands of runners, running for good causes? Penny: It was a truly special day for all the LME team. It had been 889 long days since the last time that the Virgin Money London Marathon had been able to take place on its famous traditional route from Greenwich to The Mall and it was wonderful to see more than 35,000 participants back on the streets of the capital. The joy and the emotion on the finish line was extraordinary.

Back with a bang Experienced events professionals visited The Showman’s Show to check out new products, network and prepare for 2022

A

n industry trade show is designed to be a melting pot of innovation; it’s an opportunity to meet new contacts, discover new businesses, find suppliers, and leave more informed. Given the last 19 months that the industry has suffered, you could forgive a show organiser for producing an event that delivered the basics with no bells and whistles. But we operate in a world that is determined and works together. This year’s Showman’s Show pulled out all the stops and delivered new products and new exhibitors. But more importantly, it provided #eventprofs with an opportunity to reconnect. Jeremy Lance, event director, commented: “When we took the decision to press ahead with The Showman’s Show for 2021 it was with a certain amount of trepidation.

INDUSTRY CONFIDENCE

We really didn’t know whether we would get the buy in from the industry after such a difficult period and the massive amount of uncertainty we were all still facing at that time. The prospect of not being able to sell the stands or attract an audience was a very real possibility for a while. Thankfully, as it turned out, we were able to deliver both!” He continued: “Exhibitor and visitor numbers were

around two-thirds of what we usually see at the show. Given what we’ve been through as an industry since March 2020, we are incredibly pleased with that. What is more important is that we had the major players attend, from the suppliers and manufacturers exhibiting to high profile event organisers, such as All England Lawn Tennis Club, Glastonbury, H Power, Festival Republic, RHS, Goodwood, Roskilde etc. all visiting.”

As Lance said, visitor numbers were down but those that did attend were keen to find products and services for events and festivals in 2022. For example, Dorian Mead, operations manager at H Power, was looking for electric vehicles for London International Horse Show and Royal Windsor Horse Show. Within 30 minutes of being at the show, he had sourced five electric tractors. Yet, it was not his only reason for visiting the event at Newbury Showground. “I normally visit the show to meet contractors that we already deal with, as it’s important to maintain relationships. But we’ve had 18 months of not being able to do that, so I am here.” Dan Wilson, director of Site and Stage, concurred. He visited the show with a shopping list, which included freelance resource.

“I am working on a big tour next year and need trackway, barriers, marquees, water, Wi-Fi, plant and freelancers. I am here to negotiate and network with suppliers and reconnect with other event managers, site managers and operations people and I am really pleased that I came along.” Matt Saunders, event production manager at Wilde Ones, which produces Brighton Pride’s Preston Park event, liked DCRS’ new Bluetooth earpieces, and Craig Mathie, managing director of Bournemouth 7s, was impressed with Sanitrax’s modular and collapsible toilet solution. Like Wilson, Mathie visited the show searching for specific services, including security. He said: “We’re planning for our 2022 event, which normally takes place on the last May Bank Holiday weekend. Next year, because of the Queen’s Jubilee, our event will take place on June 2, 3 and 4. We’re planning for a number of scenarios. So effectively, we’re planning for a normal event and what we’d normally need and then planning again ‘just in case’.” Mathie told Stand Out that he networked at the show; he felt it important to try and understand how confident the industry is for 2022.

GOOD SIGNS

Many suppliers told stories of an already packed event schedule for 2022 and warned organisers to secure services by paying deposits early. A busy event season is a good sign. As was the number of suppliers launching kit and equipment. GAP Group, IDE Systems, Expandasign, Event Hire UK and Event Cup Solutions, Direct Acoustics and Portable Floormaker launched products at The Showman’s Show. GAP Group showcased new solar welfare trailers and stackable plastic toilets and IDE Systems displayed its new electric car chargers. Direct Acoustics

showcased Thermoline, a patented thermal lining, Portable Floormaker unveiled Multilok® Portable Dance Floor, and Event Hire UK and Event Cup Solutions talked to organisers about the new ONE Planet ONE Chance® Reusable Cup System, which also won the Green and Innovation Supplier Award. Expandasign launched a series of recycled banners and event organisers also had the opportunity to check out PEEQUAL, a touch-free, stand-alone women’s urinal that has a patentpending flat-pack design. Lance concluded: “I think the sense of relief in being able to get back together at the show, not only for us as a team, but the industry as a whole was palpable. It was wonderful to see people smiling, chatting, and ultimately doing business throughout both days of the show. I don’t think that we could have asked for more than that.”

Security threat Industry experts are warning that the security industry is in a mess and that organisers will soon have to pay more for security personnel

T

he security market is in a “mess”, the industry needs a reset, a national shortage of security personnel is risking public safety, and prices will need to rise. These are the headline statements made by several industry professionals in conversation with Stand Out. “I was talking to a colleague recently, who was working on an event site,” explains Eric Stuart, director of Gentian Events and chair of the UK Crowd Management Association (UKCMA). “They needed 35 security staff; 27 turned up and they sent five home because they weren’t fit to do the job.” Unfortunately, this scenario is currently far too common. There are increasing concerns within the events sector and security industry about a shortage of staff, with COVID-19 and Brexit partially to blame, and it’s also widely thought that security and stewarding personnel’s wages have been far too low for too long. To avert a disaster, industry believes they need to rise proportionally with other costs especially if new security personnel are to be attracted to join the sector or come back after leaving to find work elsewhere.

PAY RATES NEED TO INCREASE

According to both Gentian and Peter Harrison, managing director of FGH Security, which supplies security personnel to events such as Parklife, Manchester Pride and Great North Swim, costs are expected to rise by 20 per cent, as artists and suppliers increase fees. With event and festival tickets for 2022 already being sold at what are effectively 2019 prices, 2022 is going to be another difficult financial year. Harrison says: “Firstly, buyers of security should be engaging with a reputable supplier, such as those with UKCMA membership. Trust with the supplier is key, and organisers should be transparent about their numbers in the lead up to the show. However, organisers need to understand that pay rates, and hence charge rates, need to increase somewhat. We need an attractive industry for the right talent to work in, and for new people to come in.” He continues: “Festival and event organisers planning 2022 may have missed two full years of shows now. A charge rate in 2019 probably needs to increase by three per cent for 2020, another three per cent for 2021, another five per cent for

2022 (higher due to National Minimum Wage increases) and potentially a further ten per cent for the ‘market adjustment’. When you compound these increases, security should be costing about 25 per cent more in 2022 versus 2019.”

TRAINING AND CHALLENGES

Wages will need to rise. As of October 1, all Door Supervision and Security Guard licence holders must have a first aid qualification and new top-up training before they renew their licence. In fact, the Security Industry Authority (SIA) training requirements have changed significantly. Individuals wishing to gain an SIA license now need to spend eight days on the training course; double the cost and double the time versus pre-COVID. Existing SIA personnel need to spend an additional three days upskilling now too; all with great content (mainly Counter Terrorism, Physical Intervention, Emergency First Aid, and the use of Electronic Equipment), but it will lead to some drop-off.

COVENTRY MOVES As it stands, grants and funding are available for SIA training, but they are designed for people on Government benefit schemes. For those not on benefit schemes, the cost of training has increased. It is feared that there will be huge impact unless the cost of approved training is reviewed. Then there is also the rising problem of cash-in-hand operatives, who are not registered with any scheme that guarantees standards or promotes best practice.

Harrison continues: “Festival organisers and production companies need to take a more in-depth view of the supply chains of some companies: How are the workers paid? If they are self-employed, who picks up the bill from HMRC for any breaches in IR35 legislation? The only safe way to operate is with a workforce that is 100 per cent PAYE employees. How are the workers screened? All insurance companies will insist workers are screened to BS7858 or BS8406. No screening means no pay out. Who manages the team? What command and control exists within the organisation? What training levels exist? Ask to see certificates. Continued professional development within crowd safety management is an ongoing permanent task.” David McAtamney, managing director and founder of Stadium Group, recognises the challenges outlined by Harrison and Stuart. Stadium recently supplied security personnel to Godiva Festival and Coventry Moves and has been selected to work on Forestry England’s Forest Live concert series.

McAtamney says: “It is great to be back working fully again and to be welcoming people to events – but it is a very big challenge both in the volume of work and finding enough staff to undertake the work. “I could hire 1,000 people and put them through SIA training if we had funding from Government. In my view, it should be forthcoming. “There have been people retiring, people who have not renewed their cards and, for a lot of companies, staff who have returned home because of Brexit and they all need replacing.”

STABILITY NEEDED

The UKCMA recently conducted a flash poll to gauge the current “mood” of the supply chain, which found that more than 50 per cent of respondents thought the situation was getting worse. The majority of respondents are overbooking staff by between ten and 20 per cent and the majority of respondents – despite overbooking – are still having to operate without sufficient staff. Michael Kill, CEO of the Night Time Industries Association, believes that licensed security staff are fundamental to public safety and that the current shortages are beginning to put the public in real jeopardy. He suggests that the Government could take extra steps to ease the current problem, such as funding training initiatives, streamlining new training requirements, or tackling shortages through legislation. Likewise, Harrison is concerned about the current security market and some of the tactics being deployed by operators. He is

passionate about professional standards, particularly as the security industry is amidst a storm of negativity. He comments: “This season, we helped to deliver lots of safe shows, despite the challenges. We only managed to deploy (on average) around 94 per cent of the requested shifts required across July, August, and September. This was hard for us, as it is not an area we have ever struggled with. However, some of the horror stories I have heard from other deployments include: One supplier telling the client the only way they can find the SIA personnel required is to increase charge rates by 75 per cent, three weeks before a festival, a planned 160-person deployment having 41 people show up with no notice to the client, a planned 120-person deployment having 20 people show up and a supplier cancelling a 200-person deployment with a customer with a few days’ notice. “I personally visited a competitor’s deployment and spoke with eight SIA personnel who could not speak any English at all. It raises a question around how these individuals ascertained their licences legally, and what level of due diligence is undertaken by the crowd management contractor.” Stuart concurred. He states that most event and festival organisers are overbooking security by 20 per cent in the hope that they get the numbers they require to run a show. It’s a massive issue that needs to be addressed. Moreover, the industry needs stability, says Stuart. Therefore, it must be prepared for price increases in 2022.

Licence to thrill Proteus Productions Events’ Jimmy Stone reveals all about his life as a production director on high-profile film premieres, including No Time To Die, the latest James Bond movie

I

’ve never worked a day in my life,” comments Jimmy Stone, owner of Proteus Productions Events. “I started pushing boxes when I was 20 on Student Union crews. I had a brief stint as a pub landlord, but I turned the pub into a venue and then one night I put the keys through the letterbox and ran away with a band.” Stone chats about life, now and then. “Visually I have matured but mentally I haven’t,” he laughs, as he preps to hit the road and deliver yet another film premiere. It’s just one of his specialisms; he appears to get approached to do the “difficult stuff” and intricate work. His company – Proteus Productions Events – delivers the concepts that people dream up in their head and he makes them work. “I’ve never been an employee,” he says. “As a freelancer, I worked as a tour manager, and I learned my stagecraft. Then I worked festival sites. One thing led to another. I went from gig to gig or as I see it from opportunity to opportunity.”

Stone admits that he is only ever spending someone else’s money. But he has the skill and capacity to “sort out the concept and deliver what people want to achieve”. As a production director, he makes budgets work and creates spectacular shows. He continues: “When I first started out, I would submit tour reports by sticking them in the post and the following week I would call the office and get asked some questions. Now, you click a button and 20 minutes later you’re expected to have answers. The instantaneous of response is an issue now. “In the old days you had time to ruminate. Now it’s all about budget sheets and back then people knew what they wanted. But you can’t go back. Imagine if email got turned off; we’d struggle.”

LAST STRAW

Stone is reflecting on the last 18 months. Like everyone else, work disappeared. He worked on two small events, including a street art festival called The Ensemble Festival this summer. “In 30 years, I have never had time off,” he explains. “For the

last 15 years, I have produced high-end show after highend show. I didn’t realise how shattered I was until I was forced to stop.” In March 2020, Stone received a call. COVID had hit. He had 24 hours to get off the site he was working on, or everything had to stay where it was. He thought COVID would be over in two weeks. After two months, he started to get OK with doing nothing. Now, he thinks he’d be cool with having one year off every five. “I was standing on the steps of the Royal Albert Hall, loading out No Time to Die. It was pouring with rain, and I stood there and thought ‘I am 52, why I am standing on these steps in the pissin’ rain’. Had I not had the last year off, it could have been the last straw, but I had had a mental reset, so I was alright.” Stone is honest in his responses. His transparency is refreshing and his stories are beguiling. Most recently, Stone has delivered the world premiere of No Time to Die at the Royal Albert Hall. A starstudded event, attended by film royalty and the Royal family.

EXTENDED INFRASTRUCTURE

On September 28, after being pushed back three times, the 25th film in the James Bond series premiered. The stars walked the red carpet – 25 metres longer than normal to allow for social distancing – and walked up the venue’s South Steps to watch the first screening of Daniel Craig’s last outing as 007. Stone had six weeks’ notice to technically produce the premiere, which had a new design.

PROTEUS PRODUCTIONS EVENTS Stone split the site into three with Dikka Jones, Ben Lewis [Limited Edition Event Design] and himself production managing the areas. The build took six days but despite the short lead time, it wasn’t a smaller build. Social distancing meant that more infrastructure was needed, and the creative agreed in 2020 was scrapped. “Normally, when we produce a premiere at the Royal Albert Hall, there’s the media on one side and a crowd on the other, giving the feeling of an event. Because of COVID, we had to have a gap between all broadcast crews. Ordinarily, 50 to 60 different press attend the premiere but this was reduced to 25. However, to accommodate 25 we had to extend the infrastructure by 25 metres so that everyone had space. Our lighting gantry, doubled in length and the red carpet was 25 metres longer. Financially, everything was more expensive.”

RED CARPET SUPPLIERS

Layher’s Allround system helped to create the central red-carpet feature at the event, including a structure for panels that provided both masking and branding opportunities, together with an LED screen support structure and an extensive frame to support lighting equipment. The use of concrete kentledge at key points enabled the structure to be free-standing – with even a traffic island, lamp posts and beacons incorporated into the layout. IPS brought in Layher for the project, but they were not the only companies to be contracted for the premiere. NoNonsense Group, Creative Technology, Capital Barriers and Temporary Fencing, Ariba Powercare, CW Plant Hire, Shogun and Alpha Crew all provided kit and services, with Mike Herbert, director of Showsmiths, overseeing the event’s health and safety. “Because of the length of the film, we had to open the red carpet in daylight,” Stone continues. “The main thing I have to consider is cleanliness. Broadcasters want a clean shot for TV, so the site must be spotless, and the structures have to be invisible.

“All steel work and ballast are held in what I call wells, which are also fire exit channels. The bulk of the infrastructure is built over the channels, providing a deck for sound, lighting and cable runs.” The premiere featured a huge circular screen at the top of the South Steps, heavily stylised to mark the 50th anniversary of the Bond franchise. The video wall was immense and was ground stacked before being attached to a huge Layher chair, as two tonne ballast was not an option. “Finding local crew was a proper nightmare,” adds Stone. “I had four or five crewing companies in the end, including Shogun and Alpha, who did a really good job.”

PROMINENT FINGER POINTING

Stone and his team had just one day to complete the de-rig. When the doors to the hall’s auditorium shut at 7.30pm and the film started rolling, the crew got cracking. They could only work till 11pm. It rained. “I don’t think I have ever been so wet in my life,” says Stone, admitting he had left his waterproof jacket in his van and was already so wet, what was the point of getting it. “The rain was appalling. We could work till 11pm. The rain stopped at 11.05pm.” He continues: “Would I want a repeat experience of those last six weeks? No. There was a bit more prominent finger pointing but making the impossible

possible is what being a showman is all about. “You can produce things on a tight timescale if you are forced but it would have been different if it had been my first event at the Royal Albert Hall. Thankfully, I’ve done a lot of shows there now, and yes, we produced the show but it’s definitely not a precedent.”

VITAL ASSETS

So, what’s the secret to organising a good film premiere and how has life in live events changed? “The biggest thing I find is that people don’t always want to discuss budgets. When I say I want to talk about a budget, I don’t want to discuss my fee. If you have no sight of a budget,

you can’t commission or design an event.” Stone wishes some organisations within the live events industry would be less guarded and that they would educate themselves on how much people cost. “Crew are my most vital asset,” he explains. “It doesn’t matter what your event looks like if it isn’t going in on time or in the right way. “Lockdown has taught me of the importance of who really are the most important people and not who you think they are. If you are employing someone to project manage, produce or site manage your event then trust them with the job.” He concludes: “I’m lucky. I’ve never had a job; I have a lifestyle.”

Confused about event Wi-Fi? Richard Ballard, director of Event Wifi and Communications, reveals his best practice advice and key considerations for perfect on-site communications

T

here are two types of event organisers out there. If you like a salesperson to sell you Wi-Fi, you give them some deadlines and expect that to be it, then this article probably isn’t for you. However, if you expect your Wi-Fi provider to be part of the team and work together, read on… Me personally? I’m a team player; we are all here for the same thing – to put on a great event. I get to work with some professional and lovely people, and I enjoy the job I do. However, there are a few things that I regularly try to get across to help us provide the best service we can, and I thought maybe it’s time to share them here.

OK, I am realistic, I understand that time is money, so we will work together, but please remember the above and write in some time for us. Usually, we can build the site as areas are completed but the full test can’t happen before the site is complete.

REQUIREMENTS

Related to planning really – tell us what is needed at each area in advance. We will build the network to suit the requirements. If you chirp up last minute and say you want to do multiple live streams in a remote location that previously only had a card machine, expect a frosty reception.

PLANNING

The bigger your requirement, the more planning time is needed. I say requirement rather than event size because bandwidth is the key here. The speed of the incoming Internet feed dictates a lot for a site build. Getting a dedicated fibre in can take nine months in a difficult location. With smaller requirements, the amount of time we have before an event can make a significant difference on the price you pay.

BUILD SCHEDULE

We get forgotten! To install your Internet, we need the structures up, power on, concessions in, and access everywhere. So often we see the power deadline pushed to just before doors open, but we need that power on so that we can start building. Now

Where the speed requirements are low, we may use a wireless link, and bigger requirements may need copper or fibre.

FIBRE VS COPPER AROUND SITE

I’m not talking here about the incoming feed to site, I’m talking about how the Internet gets around the site. Many organisers have a belief that fibre around site will make the Wi-Fi magical and super-fast. Fibre has its place, but if the incoming Internet connection is a slow copper ADSL line, fibre is no use to you. If you do have a fast incoming line or a large CCTV deployment, then fibre is useful for long distance runs.

Remember if a fibre is damaged mid-event, then it’s a 40-minute repair (and that’s assuming it’s not windy or raining!). A copper repair can be done in five minutes and sometimes even a temporary repair without tools.

TAKE ADVICE

I’m sure many of my colleagues in the industry have more items to add to the list. If you are one of them reading now get in touch and maybe I’ll compile an online list for our amusement. If you are an event organiser, it’s important to have a real discussion about what you want the end product to be and take advice on how to get there.

Keeping track Leading trackway suppliers reveal industry trends, best practice, and details of new products the weather is dry and the W hen ground is hard, it can be difficult for

site and operations professionals to impart on a client how important trackway really is. But just one small change in the weather can quickly alter site conditions and heavily impact on existing resources. Trackway is an essential piece of overlay on event and festival sites, protecting the ground from damage and improving access for pedestrians and vehicles. Unfortunately, it is also one of the least “budget-friendly” commodities, which can lead to organisers favouring price over any other consideration.

STARK WARNING

This year, trackway has been in short supply. A booming construction market has meant that utilisation is high and there are challenges as longer lead times are required to produce more stock. So, what does this mean for event organisers? “Gone are the days of ringing up someone on a Friday afternoon and expecting trackway to be delivered on Monday morning,” says Tony Booth, director

of Signature Systems Europe. “Before, suppliers have always told people to get your orders in early, to book equipment early, and people thought it was a sales pitch. It’s no sales pitch. It’s reality.” Booth’s comment is a stark warning. It’s believed that Birmingham’s hosting of the Commonwealth Games in 2022 will put added pressure on stock levels, as events and festivals plan to make a full return, and price rises are expected too, as the cost of aluminium has increased by 20 per cent. Such factors will have an impact on the events industry. In response, trackway suppliers are either doubling stock levels or launching products to meet increased demand. For example, Autotrak has doubled its stock of its plastic heavy duty (PHD) panels and has new stock of aluminium panels coming in for 2022. CapTrac has launched TerraGuard, a heavy-duty product, and TerraGuard Light, suitable for light duty pedestrian areas and marquee flooring. EFS Europe is continuing to build its stock of Temp-A-Path and is in discussion with a potential new designer/manufacturer. Plus, Sunbelt Rentals is working on a “product

development project”; a heavy-duty next generation trackway product that will “meet the company’s greenhouse gas credentials”. Ben Chambers, Sunbelt’s head of commercial development, confirmed that this year’s shortened event season did prove challenging. However, the company’s new trackway panel is designed to meet increased demand for a “versatile” product.

BOOK EARLY

EFS recently installed 2,324sqm of TempA-Path at Creamfields this year, across the festival’s VIP tent arena. It was the first time that EFS had supplied the event. Autotrak also supplied Creamfields 2021, as well as Epsom Derby, and Bournemouth 7s. Nick Russell, business development manager at Autotrak, told Stand Out that social distancing measures being implemented on event/production sites meant that the company is providing double the amount of stock for “half the numbers”. This is also putting pressure on the market. “Generally, people never used to book trackway until March,” comments Mark Pruce, director of operations at CapTrac. “But now that is all changing.” Jeremy Simpson, managing director of EFS Europe, agrees: “Don’t leave trackway to the last minute, as more and more people are now requiring flooring due to the change in climate.” Russell concludes: “People are realising they must be productive and book early.”

VISION: 2025 CONFERENCE

We need to change Did you miss the Vision: 2025 conference at The Showman’s Show? Chris Johnson, chair of Vision: 2025, reports the key findings

T

he annual Vision:2025 conference returned to The Showman’s Show on October 20. Vision:2025’s organiser and supplier members, along with visitors to The Showman’s Show, engaged in a fast-moving and focused programme, which saw event sustainability leaders interact with a packed room of event professionals, sharing their knowledge and experience. The day led with four “Industry Briefings”. The Net Zero theme was explained by Chiara Badiali, sector knowledge and intelligence lead at Julie’s Bicycle, putting event industry efforts to reduce emissions in a national context, highlighting priorities such as reducing fossil fuel energy by 50 per cent by 2025, and reducing meat consumption. In an energy briefing, Tim Benson, technical director of ZAP Concepts, warned that duty relief on red diesel will end in 2022, doubling fuel

costs. He highlighted that whilst HVO fuel offers an immediate solution to reducing emissions, it is not a long-term solution. He said: “We need to fundamentally change how we deliver energy, focussing on demand reduction, grid connection, and batteries.” Helen Harland, event manager at Manchester City Council, launched a guide: “Reusable cups at events: Why it matters and how to do it”. She revealed compelling statistics from research about the impact of measures taken at Manchester events in 2018 and 2019. In total, 1.7 million cups were avoided across six major events, with some events saving 40 per cent on waste costs. Naomi Lawson, project manager at ecolibrium, covered how events can tackle environmental impacts from travel, announcing that a new guide – The Artists Guide to Sustainable Travel – will be available in November.

The Journey to Net Zero Panel, hosted by Badiali, brought together stakeholders from events, the supply chain, and local authorities to discuss experiences of setting targets. Harland shared how Manchester is working towards an ambitious plan to be a zero-carbon city by 2038, explaining the council’s approach towards engaging, supporting, and influencing events to play their part. Alex Spinks, head of health and safety and environment for Arena Group, shared Arena’s journey to reduce carbon emissions for the company and its clients. Spinks said that suppliers have a role to play in the net zero journey. Early conversations with clients, and setting KPI’s for environmental targets within contracts, can play an important role in supporting events by delivering more sustainable services. Marking the first in a new series of Vision: 2025 resources, Powerful Thinking launched a

CHRIS JOHNSON “How to” guide on sustainably powering festival campsites. The guide focuses on practical interventions and tech solutions that enable festival organisers to reduce carbon impact through power management. And finally, the conference ended with the Green Supplier and Innovation Awards. Three shortlisted suppliers, with a proven commitment to reducing environmental impacts, presented their solutions in elevator pitches to the judges and audience, who voted to decide the winner. This year’s shortlist was IDE Systems, Stagebus, and Event Cup Solutions/ONE Planet ONE Chance® Reusable Cup System. In a closely contested vote, ONE Planet ONE Chance® was voted the winner.
