The organising team cannot stress enough the importance of adhering to your allocated meetings, seminars and networking time. Please ensure you attend all the meetings that have been requested and scheduled – this will facilitate a smooth and productive event for all involved. To keep the event running on time, please ensure your supplier meetings do not exceed 25 minutes – after 20 minutes, we will ring a bell. A final bell will ring after 25 minutes. If you wish to continue your discussion, there are additional opportunities to do so during the scheduled tea/coffee breaks, lunch, The Event Club party and during day two.

Please note: For various reasons, we may need to make a last minute change to your itinerary. We, therefore, kindly ask that during the event you regularly review your itinerary.

Late arrivals/cancellations The organising team asks you to appreciate that unforeseen circumstances may result in the late arrival of delegates, or even last minute cancellations. Once we are aware of late arrivals or cancellations, details of these guests will be displayed at the entrance of the Meeting Room 1 and Meeting Room 2. Furthermore, if one of your scheduled meetings has not arrived, please notify the event team member located in your meeting room and they will be happy to assist you.

IMPORTANT INFORMATION Evacuation procedure/Health and safety In the event of an evacuation, please leave the building via the nearest labelled exit route and do not re-enter or leave the site until given permission to do so by The Belfry duty manager. The assembly points are clearly marked in the car park.

Name badges Upon arrival, you should have collected your name badge and we kindly request you wear this throughout the entire event, including The Event Club party. Those attending Event Buyers Live can clearly be identified by the colour of the badge/lanyard.

Personal belongings We advise you keep all of your valuable belongings with you at all times. Concierge is available upon arrival. Neither the event team nor The Beflry can be held responsible for any loss or damage to your property.

A cloakroom is also available next to the organiser’s office.

Photography/Filming Jonathan JT Taylor, director of photography at Aniseed PR, is the official event photographer. He will be roaming throughout the event and will be happy to discuss your own photography requirements. He can be reached via the organiser’s office. Please note the event will be also be filmed. Footage will be used on the Event Buyers Live website and on press, marketing and promotional materials. If you do not wish to be filmed or photographed, please contact a member of the event team upon arrival.

Accommodation For those who did not stay the night on

February 20, key collection is available from 16.00 on February 21 – during the afternoon refreshment break, you can collect the key to your room and any luggage checked in at registration from the hotel’s main reception.

Please ensure you check out of your room before 11:00 on February 22. You will find a welcome goodie bag in your bedroom.

Networking lounge The lounge is available and open to all guests. If you have a free slot in your itinerary, please do use the lounge to network, catch up on emails and/or prepare for your next meeting.

The Event Club party and The Belfry Champagne Reception For the majority, your last supplier meeting will finish at 18:00 on February 21; this leaves you with 90 minutes of free time before heading to the Bel Air nightclub for The Event Club party. The Belfry will be providing a drinks reception at 19:30 for Event Buyers Live guests only. At 20:00, the doors open to the wider events industry and we network and party in a relaxed and fun environment.

Food will be served, the bar takes card and cash and the dress code is smart/casual.

IMPORTANT INFORMATION February 22 afternoon activities Hosted and managed by The Belfry, the event closes with four on-site activities. You get to experience one of four options that you would have already chosen via your login; 12.30pm – Event Buyers Live formal meetings finish and you will need to make your way to The Ryder Grill for lunch (with the exception of the golfers playing the Brabazon course). Those that are partaking in the nine holes of golf on the Brabazon need to make their way promptly to The Heritage Zone for registration/changing. Refreshments will be served prior to tee off in Sam’s Club House.

You can check your chosen activity by logging into your registration zone and your selection is clearly marked under the “My Profile” tab.

You will then be directed to the Brabazon course for a shotgun start at 1.15pm.

Description: The Brabazon (par 72, yardage 7225) Walk in the footsteps of legends... the majestic fairways and carpet-smooth greens of The Brabazon form a world famous stage on which some of golf’s most exhilarating dramas have played out.

Please note – Buggies are not available on the Brabazon at this time of year.

Guests will then be walked down outside the hotel to the PGA Academy.

Time: 1.30pm Description: A fun and interactive introduction to golf, under the instruction of professional golfers, guests will undertake a number of fun challenges designed to introduce non-golfers to the sport and hone the skills of those who already play. Skills include driving, chipping and putting.

GDPR – EU data protection rules will become much stricter in May 2018 when the General Data Protection Regulation (GDPR), the EU’s new data protection regime, comes into force. It will mean that organisers have to approach data in a completely different way. This dedicated roundtable on GDPR – led by Beveridge, a fellow of the Institute of Direct and Digital Marketing – aims to help with any concerns.

Social media and digital marketing – Rainford will lead a roundtable on effective social media strategy and digital marketing, including how you can out-smart, rather than out-spend on social media, using effective social strategy, decent targeting in advertising and relevant creative.

Simon Weston CBE

I

n 1982 the RFA Sir Galahad was destroyed in Bluff Cove on the Falkland Islands. On board was Simon Weston, Welsh Guardsman, a name and face that was going to become well known for his struggle to overcome his injuries (46 per cent burns) and redefine his role in life.

Following his injuries, Weston ‘s road to physical, spiritual and mental recovery saw him active in a number of highly successful ventures, including The Weston Spirit, a Liverpool-based young people’s charity. His charitable work earned him an OBE in the 1992 Queen’s Birthday Honours.

Most recently, in the 2016 New Year’s Honours, Weston was awarded the CBE for his charitable work and was awarded the Outstanding Contribution Award at the 2017 Soldering On Awards.

For two years, Weston was the president of Wales Scouting, and is currently the patron of the Falkland Veterans Foundation, The Enham Trust, Allied Service Trust and an ambassador for Changing Faces. Most recently he has helped to set up Care After Combat – a charity for veterans.

A successful businessman too, Weston currently runs his own security business in South Wales and is a director of Zappawoo, set up to help transform the disabled holiday market.

Weston’s message is one of achievement, of triumph over adversity, of seizing the moment and succeeding, and one that he

will deliver to a room of high profile events professionals on February 21.

Weston’s story, which has been wellpublicised, will be the foundation of his keynote – in it, he will not only talk about overcoming adversity, investing in yourself and having a positive mental attitude but also his experiences of being in the public eye for more than 30 years.

Hellen Beveridge GDPR | Privacy lead at Data Oversight

H

ellen Beveridge has had a long career in marketing within SMEs and is using this experience to help companies of all shapes and sizes navigate their way through General Data Protection Regulation (GDPR), new EU data protection rules that become stricter in May 2018. She believes that the legislation should be viewed less as another set of red

tape to be endured and more as an opportunity for businesses to show that they are trustworthy.

She is currently working with a wide range of companies at all stages of their compliance journey, providing virtual data protection officer services, training and expertise to ensure there is no disruption to their ability to process data after May 25.

Beveridge is a fellow of the

Institute of Direct and Digital Marketing, a member of the International Association of Privacy Professionals and has qualified as a Certified Information Privacy Professional.

This dedicated roundtable on GDPR aims to help with any concerns.

Sarah Rainford Social Media and Digital Marketing | Senior account manager at Born Social

S

arah Rainford has worked for Born Social for more than two years as a senior account manager. During those two years, she has worked with more than 30 different brands, covering FMCG, events, hotels and restaurants and has gained insights from working across these varied industries.

She has worked on a number of events, creating

social strategies, most recently for a worldwide sporting event that took place in Switzerland in January 2018. Rainford is particularly interested in how you can out-smart, rather than out-spend on social media, using effective social strategy, decent targeting in advertising and relevant creative.

Also, Born Social is the winner of the Best

Use of Paid Social Award at the UK Social Media Communications Awards 2017 for its work with Backyard Cinema.

Dave Steele Site Management/Operations | Operations manager at Isle of Wight Festival

D

ave Steele has been the operations manager for the Isle of Wight Festival since 2012.

Having previously served in the police, the latter part of his career was based in a specialist department that dealt with the planning and delivery of large-scale events. He was also a qualified counter terrorism search advisor and coordinator.

Steele is now responsible for all operational aspects of the event and its day-to-day planning and running. His responsibilities are wide ranging but include making strategic decisions on the safety at the event including counter terrorism, security and crowd management, the delivery of the traffic plan and ensuring the event is effectively resourced.

His role includes managing

relationships with a wide range of event partners.

He has also been commissioned to work on other events and has a proven track record for reducing policing costs at events and can give an insight of how this can be achieved.

Stephen Farrow Event Developments | Tournament director of the The Queen’s Club Championships

S

tephen Farrow is the tournament director of The Queen’s Club Championships – formerly known as the Aegon Championships – the premier pre-Wimbledon grass court event on the tennis calendar. Farrow heads a team of more than 1,000 people during the year, which delivers

the event in the unique atmosphere of The Queen’s Club.

The event has experienced significant growth including: elevating the event from an ATP 250 to an ATP 500 (in 2015) and developing and rejuvenating on-site hospitality (with profit more than doubling).

In 2017, Farrow also led on

the project to expand the Centre Court capacity at Queen’s with a 30 per cent increase in seats, resulting in a 78 per cent increase in ticket revenue.

Nick Mattingley How To Keep Your Event Fresh | Former shows director at the Royal Horticultural Society (RHS)

N

ick Mattingley is former shows director at the Royal Horticultural Society (RHS). Mattingley joined the RHS as head of shows in February 2015. He has more than 20 years’ experience in entertainment and events. His career has encompassed UK and international touring

theatre shows and festivals as well as many West End runs. In the events realm, his work includes arena shows, outdoor concerts and festivals in sensitive locations such as Horse Guards Parade and Tatton Park. He has also delivered the Natural History Museum Ice Rink with IMG, the British Military Tournament at

Earls Court, horse shows and flower shows at Royal Hospital Chelsea and Hampton Court Palace, amongst others.

Mattingley will talk to delegates about how to keep events fresh, revealing details of his work at the RHS and IMG.

Phil Atkinson Health and Safety | Managing director of A.C.T National

P

hil Atkinson is managing director of A.C.T National and has been a leading health and safety practitioner for more than 20 years.

He is a specialist in the management of public safety at sports and cultural events and is a committee member of the Institution of Occupational Safety and Health (IOSH) Sports Grounds and Events Group.

Atkinson has gathered a wealth of experience through working in industry, at major sporting events and as a risk consultant with one of the world’s largest insurance brokers.

As a keen sportsman, Atkinson loves the great outdoors, and when he is not helping clients he can be found walking in the Yorkshire Dales, watching rugby, listening to folk music

or working on improving his golf handicap.

upert Barksfield is a creative and talented executive with more than 15 years’ experience in the tech, marketing, advertising and event industries. His career has covered most of the globe, dealing with world leaders and CEOs in the top tech firms.

Barksfield is the founder of BigBearX, the former managing director of Gruve, and also used to head up

operations at Wasserman Media Group.

BigBearX is a brand multiplier, a nomadic group of digital experts spread across different fields to make digital magic happen!

Barksfield’s career has taken him all over the world, building experiential activations and VR for brands such as Google, Verizon and the NBA. Barksfield will facilitate Event Buyers Live’s

J

oe Barnett, managing director of NVS Music Group, launched his first festival, Outlook, Croatia, in 2008. In 2017, the festival celebrated its 10th anniversary. As managing director of NVS Music Group, Barnett has overseen the creation of Dimensions Festival, Croatia, and Sunfall in London.
