The following was created to highlight resources available for trainees at the BC Children's Hospital Research Institute (BCCHR).

You may find this resource helpful if you are: 1. An undergraduate student, medical student, graduate student, postdoctoral fellow, resident, or clinical fellow.

2. Currently supervised/mentored or will be supervised/mentored by a BCCHR Investigator.

Welcome to the research community at BC Children’s Hospital Research Institute!

In partnership with generous funders, visionary donors, and the families who participate in our studies, we are at the forefront of child health. Trainees play a vital role in our research community. With over 400 trainees currently part of BCCHR, our unique location on a hospital campus provides exceptional opportunities for interdisciplinary collaboration and practical hands-on learning.

Getting Started Checklist Use this checklist to help guide you through your BCCHR onboarding and getting started onsite. This checklist covers BCCHR specific onboarding only and does not include the steps required to get started at your university (e.g., student registration, university accounts, payroll, transit passes, etc.)

Before Your First Day □ Accept your research position and confirm your start date with your supervisor □ Complete all required onboarding courses, as well as any lab or project-specific safety training □ Submit all required onboarding documentation to your supervisor

Within your First Month □ Meet your research team! □ Tour your research area, review emergency procedures and locate key space onsite □ If applicable: > Pick up your keys or access card from BCCHR Facilities > Login to your BCCHR email and set up multi-factor authentication > Submit a request for VPN/remote access on the Support Portal > Claim your BCCHR Directory Profile □ Review the ResearchHub or Trainee Resource Guide to learn more about the supports and services available for trainees at BCCH □ Visit the Event Calendar to register for the next New Trainee Orientation (typically scheduled in October & Februrary) and explore upcoming trainee events and networking opportunities. □ Watch for emails from BCCHR and your Research Theme.

Not receiving emails? Section #2: Onboarding

Onboarding Onboarding is essential to maintain the safety and security of the research community. Your BCCHR Investigator, research manager or supervisor is responsible for guiding you through this process.

The process below is the same for all university affiliations (e.g., UBC or SFU).

What to Ask Your Supervisor Before Starting the Onboarding Process •

Criminal Record Check: Confirm the specific steps for completing a Criminal Record Check; these details vary by department. Unpaid students/volunteers can follow these instructions.

•

Department Onboarding: Check if your university/department has any additional onboarding requirements beyond those of BCCHR.

•

Safety Training Requirements: Course requirements will vary based on your supervision or level of responsibilities. Review what courses may apply.

Onboarding Map Task for you to complete •

Steps for Onboarding STEP #1: Sign-Up for a PHSA LearningHub Account Anyone can create a LearningHub account, regardless of their employer or univeristy.

Select ‘Student’ and enter your personal details to create the account

Are you conducting clinical research?

You can request sponsored access to clinical systems through the PHSA IMITS Self-Service Portal. Please note that a PHSA Network account is required before you can submit your request. This includes Citrix Remote Access, CST Cerner and CW Legacy Systems.

To update your BCCHR Photo ID Badge to include access to hospital clinical spaces, please contact PHSA Protection Services at LMCPID@fraserhealth.ca.

Are you Clinical Residents or Fellow?

If you are a clinical resident or fellow based at the Oak Street Campus and have not yet identified a research mentor, you are not eligible to be onboarded as a community member at this time. However, you may still register as a BCCHR Trainee.

Why Register as a BCCHR Trainee?

As a registered trainee, you will be automatically added to the trainee mailing list to receive regular newsletters and updates about BCCHR opportunities.

How to Register •

Visit support.bcchr.ca and login with your PHSA OR UBC network account.

•

From the navigation bar select ‘Directory’. The site is NOT mobile friendly. If you’re using a phone, you may need to rotate your screen to see the navigation bar.

•

Select ‘Request a Profile’.

•

Enter your Position Category > ‘Clinical Resident or Fellow’.

•

Enter your personal details.

•

Enter your employment information. No Research Team/Research Mentor? Scroll through the drop-down and select ‘Temporary – Clinical Resident or Fellow Research Team’.

Are you an Unpaid Student/Volunteer?

A Criminal Record Check (CRC) for unpaid students/volunteers can be done directly via BCCHR HR.

Submitting your CRC •

Visit the following CRC Portal

Review the BCCHR information and provide consent

Verify your identity using the BC Services Card Login. The BC Services Card Login is a secure way to verify your identity online. If you live in another Canadian province or territory and do not have a physical BC Services Card, you can still set up a BC Services Card Login. If you live outside of Canada, or choose not to use the BC Services Card Login, contact hr@bcchr.ca to have your ID verified manually

Submit the check

Results will be sent directly to hr@bcchr.ca. You may begin volunteering while results are pending.

No communication will be issued unless concerns arise.

Collecting your BCCHR Photo ID Card Once your onboarding request has been processed, your supervisor will receive instructions from the BCCHR Facilities Team in regards to taking your photo and obtaining your ID badge.

•

Location: Room A1-141 (BCCHR Facilities Office)

•

Times: Tuesdays, 9:00 – 11:30 am | Thursdays, 1:30 – 3:00 pm

Directions to Room A1-141 (BCCHR Facilities Office)

Room A1-141 is on the bottom floor of BCCHR’s Translational Research Building (TRB). You can access the space without having an ID card.

Enter BCCHR through the main entrance (Entrance 18) into the lobby.

•

Turn right and go down the corridor, walking past the glassed-in reception area (follow the sign for the elevator).

•

Follow the corridor to the end and take the stairs or elevator down to Floor 1.

•

Go through the unlocked set of double doors and continue down the corridor to the end (you’ll also see signage pointing towards BCCHRI IT & Data Management hanging from the ceiling).

Turn right and walk straight, going through a set of double doors until you reach a wall.

Turn right again and go through another set of double doors. Room A1-141 will be immediately on your left.

Section #3: Getting Started on the Oak Street Campus

Navigating the Campus Oak Street Campus (C&W) The 46-acre Oak Street Campus (frequently referred to as C&W) is home to three leading health care organizations: BC Children’s Hospital, BC Women’s Hospital & Health Centre, and Sunny Hill Health Centre for Children.

BC Children’s Hospital Research Institute (BCCHR) BC Children’s Hospital Research Institute is a separate building located on the Oak Street Campus with more than 350,000 square feet devoted to research.

The research institute is made up of different interconnected buildings. Each building has its own name and numbering system: •

Translational Research Building: Rooms A1-XXX to A5-XXX

•

North Block: Rooms 1XXX to 3XXX. This space is primarily used by CMMT Researchers

•

South Block: Rooms 2XXX to 3XXX

•

Variety Club Building: Rooms 1XX to 3XX

•

Clinical Research Support Building (CSB): Rooms V2-XXX to V3-XXX

Research at BCCHR isn’t confined to the main institute building. You may also find researchers in hospital spaces, including: •

Photo ID Card As a trainee affiliated with the Oak Street Campus, the type of Photo ID Card you are issued depends on where you need access and how long you will be onsite.

You should only have one active Photo ID Card: •

BCCHR Photo ID Card: Issued to members of the BCCHR community who are primarily based at the Oak St Campus. For questions regarding a BCCHR Photo ID Card, contact sdoperations@bcchr.ca | 604-723-9885

PHSA Photo ID Card: Issued to PHSA staff and affiliates who do NOT require access to BCCHR research spaces. For questions regarding a PHSA Photo ID Card, contact LMCpid@fraserhealth.ca, 604-930-5442 | Photo Identification Services

BCCHR Photo ID Cards You may be issued a BCCHR Photo ID Card if you meet all of the following criteria: 1. You have been onboarded by a BCCHR research team. This includes completing all required training and a criminal record check.

2. You require access to secure research areas managed by the BCCHR Facilities team.

3. Will be working on the Oak Street Campus for at least 2 months.

On the Oak Street Campus for less than 2 months?

•

Individuals onsite for less than one month will be issued a visitor pass.

•

Individuals onsite for one to two months may be issued a BCCHR Photo ID Card depending on access requirements. Contact sdoperations@bcchr.ca for details.

You will NOT be issued a BCCHR Photo ID Card if you: •

Have not been onboarded by a BCCHR research team.

•

Are working primarily virtually or offsite with no need for physical access.

•

Are onsite for a short-term visit less then one month.

Managing your BCCHR Photo ID Card •

Access Changes: If your role or access requirements change, you can submit a request for changes on the Support Portal. Go to support.bcchr.ca > select ‘Facilities’ from the menu bar > ‘Photo IDs’ > ‘Change ID Access’.

•

Expiry & Renewal: BCCHR Photo ID Cards expire annually. Be sure to make note of your expiry date and add a reminder in your calendar. To renew your Photo ID Card, go to support.bcchr.ca > select ‘Facilities’ from the menu bar > ‘Photo IDs’ > ‘Renew ID’.

•

Lost or Stolen Cards: If your BCCHR Photo ID Card is lost or stolen, report it immediately. Go to support.bcchr.ca > select ‘Facilities’ from the menu bar > ‘Photo IDs’ > ‘Report Lost ID’.

Requesting Access to PHSA Clinical Spaces If you are affiliated with the BCCHR research community and require access to clinical areas at BC Children’s Hospital, BC Women’s Hospital & Health Centre, or Sunny Hill Health Centre for Children, you must submit an access change request. Note: You must be logged into a PHSA Computer or Remote Desktop to submit the request.

•

Access Changes: Take a photo of the back of your BCCHR Photo ID Card. Go to Lower Mainland Connected Privacy Integrated Services > select ‘Access’ and follow the on-screen prompts. For trainees, list the Principal Investigator as the approving manager when submitting the request.

Staying Safe Onsite To help ensure your safety while on campus, please follow these security recommendations: •

Always wear your Photo ID while onsite.

•

Secure your workspace by locking doors and windows when leaving — especially if you’re working alone or outside regular hours.

•

Store personal belongings securely and avoid leaving keys or valuables in plain sight.

•

Avoid walking alone when entering or exiting buildings after hours — travel in pairs or groups whenever possible.

•

Request a Safe Walk Escort from Security if you feel unsafe or are walking to/from your vehicle during off-hours. Contact Security at 604-875-2999.

Your BCCHR Email All members of the BCCHR community are eligible for a BCCHR email address (@bcchr.ca). Emails can be accessed through Outlook/other email applications or online at wm.bcchr.ca (two-factor identification required).

An email account may have been set up during your onboarding. If not, you can request one through the Support Portal. Go to support.bcchr.ca > select ‘IT Support’ from the menu bar > ‘Access and Connectivity’ > ‘Email Account Request’.

Tip: Go to my.bcchr.ca to manage your BCCHR account, including resetting the password.

Accessing the BCCHR Network Remotely Requesting Remote Access The Global Protect VPN allows you to securely connect to the BCCHR network from offsite locations or personal devices. Remote access is available by request only. Go to support.bcchr.ca > select ‘IT Support’ from the menu bar > ‘Access and Connectivity’ > ‘Request Remote Access’.

Once approved, step-by-step instructions for installing and using the Global Protect VPN are available on the ResearchHub.

Duo Mobile Two-Factor Authentication For security reasons, two-factor authentication is required before accessing the Global Protect VPN or wm.bcchr.ca. This additional step helps keep our network secure for everyone.

To enroll in Duo Mobile, BCCHR’s two-factor authentication app, please follow the step-by-step instructions available on the ResearchHub.

BCCHR Shared Printers Network printers are available on multiple floors throughout the institute. Instructions for connecting your computer to these shared printers can be found on the ResearchHub. Printing is not free. A user code is required to charge printing costs to your department. You will not be able to print without this code. To obtain your team’s user code, check with your supervisor or contact BCCHR Finance: Lillian.Kwok@bcchr.ca.

Protecting Your Research Data and Personal Information Keeping your research data and personal information secure is essential. Here are some key tips to help you stay protected: •

Install Anti-Virus and Malware Protection: If you’re using a BCCHR-owned computer, contact support@bcchr.ca for guidance. If you’re affiliated with UBC and using a personal device, free security software is available through UBC IT.

•

Report Suspicious Emails: If you receive a spam or phishing message at your BCCHR email address, forward the original email to abuse@bcchr.ca.

•

Use Secure Systems for Data Sharing: Always share research data through approved and secure platforms, such as institutional or academic email accounts. Avoid using personal email services like Gmail or Outlook, as they are not compliant with research data security standards.

•

Use Secure Systems for Storing Research Data: All research data must be stored in secure, approved locations such as the BCCHR or PHSA network. Do not save data on personal devices, unencrypted drives, or unsecured platforms.

Influenza Prevention Each fall, prior to the start of flu season, PHSA offers free staff immunization clinics on the Oak Street Campus. These clinics are open to all BCCHR personnel, including trainees, and are by appointment only. Information on clinic times and how to book an appointment will be shared each fall.

To help prevent the spread of influenza, the BC Ministry of Health has influenza prevention policies in place for anyone working in health care settings. This typically requires staff to either (a) be immunized against influenza, or (b) wear a medical mask in patient care areas during flu season.

Guidelines may change annually. For the most current directives, visit the Office of the Provincial Health Officer website or watch your emails for updates.

Emergency Procedure To ensure everyone is prepared, the BCCHR Facilities Team hosts mandatory in-person fire safety/ emergency training sessions. Everyone is required to attend each year. Training details, including dates and registration information, will be sent via email.

Floor Wardens play a key role in supporting safety during emergencies. They help guide building occupants during evacuations, report hazards, and assist with emergency procedures to help maintain order and keep everyone safe. See who is the Floor Warden for your area.

Lab Safety Standards At BCCHR, our laboratories and office spaces are shared environments. These General Lab Safety Rules double as our House Rules - they are in place to protect you, your colleagues, and our research community.

These rules reflect our values of respect, responsibility, and a shared commitment to ensuring that everyone goes home safe and healthy. By following them, you help foster a professional, safe, and supportive workplace for all.

If you have any questions or concerns about lab safety, or if you need further guidance, please consult your supervisor or reach out to facilities@bcchr.ca.

Guidelines These rules set the minimum safety expectations for all staff, students, and visitors. Individual labs may have additional protocols you need to follow as well.

No food or drink in lab areas - Consumption or storage of food/drink in labs is strictly prohibited.

•

Wear proper lab attire - Closed-toe shoes and fully covered legs are mandatory. No sandals, shorts, or bare legs.

•

Wear personal protective equipment (PPE) - This includes goggles, gloves, lab coats, etc., as applicable to your tasks.

•

Lab coats stay in the lab - Lab coats must be worn in lab areas but must be removed before entering public areas, including lunchrooms and hallways.

•

Limit glove use outside the lab - Gloves are not to be worn outside lab areas, except when transporting materials between labs. Keep one hand ungloved for handling doors, elevators, etc.

•

Scent-free workplace - Avoid using scented products—strong smells can impact the health and comfort of others.

•

Follow the Work Alone Policy - Never perform hazardous tasks alone. Ensure someone is present or informed per your lab’s Work Alone Policy policy.

•

Respect shared equipment and spaces - Sign up when needed, use equipment correctly, and clean up after yourself.

•

Keep safety zones clear - Exits, hallways, eyewash stations, safety showers, and fire pull stations must remain clear at all times.

•

Report all incidents immediately - Spills, exposures, injuries, unsafe conditions, or near-misses must be reported to your supervisor without delay.

UBC 3MT – BCCHR Heat: Hosted in Spring, The Three Minute Thesis (3MT®) is an academic competition where participants have just three minutes to explain the breadth and significance of their research project to a non-specialist audience. BCCHR’s top presenters will move onto the UBC Semi-Finals. UBC’s top presenter will then compete in a Western Canadian final featuring finalists from the Western provinces. Participating is restricted to UBC graduate students.

To help make your application as strong as possible: •

Connect with your supervisor or mentor before applying. For stipend awards, only one application per research team is accepted.

Undergraduate Students Opportunities for Undergraduate Students Undergraduate students with a strong interest in child health research often participate in various roles at BCCHR throughout their academic journey. Below is a list of programs and opportunities available to undergraduate students working onsite.

INSPIRE Program The INtegrated Student Program In Research Education (INSPIRE) provides undergraduate students with hands-on clinical research training and practical experience in child health research during the academic year. Participants can identify their own mentor or be matched with a mentor and contribute to a research project as part of a team. Summer Student Research Program The Summer Student Research Program offers students the chance to complete an individual research project between May and August, while also participating in a structured research education program. This includes orientation, student presentations, workshops, seminars, networking events, and a final poster day. Students benefit from high-quality training, dedicated mentorship, and exposure to diverse research areas and skills development. Working hours, timelines, and funding sources vary by supervisor. For students without external funding, support is available through the BCCHR Summer Studentships.

Rising Scholars Undergraduate Summer Studentship The Rising Scholars Undergraduate Summer Studentship program is designed to create more equitable access to child health research opportunities. It provides funding and hands-on experience for undergraduate students from equity-denied communities, who may otherwise face barriers in accessing summer research placements.

University-Affiliated Programs In addition to BCCHR programs, Investigators may also hire students through university-affiliated initiatives such as Work Study/Work Learn, Directed Studies, or Co-op Programs. Offboarding When your placement, contract, or training period ends, you are required to complete the BCCHR offboarding process. Offboarding is a critical process that helps protect organizational security, ensures the return of BCCHR-issued items, and maintains compliance with privacy and institutional policies.

Your offboarding should be coordinated by your BCCHR supervisor. If you have any questions with the process, contact directory@bcchr.ca.

What happens to your BCCHR email?

As part of the offboarding process, your BCCHR supervisor will need to choose one of the following options for your BCCHR email account: •

Account Disabled: Your email account will be deactivated. Anyone who emails you will receive an automatic bounce-back message stating that the mailbox is no longer accepting emails. Your BCCHR supervisor may provide a custom message for this response when submitting your offboarding form.

•

Grant Access to a Team Member: This option allows all sent and received messages to be transferred to a designated team member, ensuring continued access to important communications.

Steps for Offboarding The steps outlined below are for offboarding from BCCHR systems and services only. Be sure to consult with your BCCHR supervisor, department/university, or program for any additional offboarding requirements or instructions.

STEP #1: Back-up your Data •

Before your BCCHR supervisor completes the Offboarding form, back up any personal data.

Once the form is submitted, you will lose access to: > Your BCCHR email account > Personal or shared network drives, including any data stored on the BCCHR network

STEP #2: Return Your Photo ID Badge, Keys & Equipment •

Return your BCCHR Photo ID Badge and keys to the BCCHR Facilities Team

Return any BCCHR-owned assets (e.g., laptops, monitors, research equipment) to your supervisor

STEP #3: Supervisor Submits Offboarding Form •

Your supervisor will complete and submit the Offboarding Form to finalize the process
