I was on a call the other day talking to a decorator about a challenging and unique installation. They were concerned they were not going to be able to deliver on my expectations and I was concerned they were misunderstanding what my expectations were.

EDITOR'S NOTE

Either I was not articulating my vision well, or they were not listening well; regardless, neither of us was at fault, we just were not getting anywhere. The me from ten, maybe even five years ago would likely have gotten frustrated, possibly even chose to end the call and try again later, but that’s not what happened this time. Maturity, growth, experience, time in.. these are all things that contribute to the way we respond, and react. In this particular instance, instead of continuing to run in circles, I used my hard earned wisdom- and decided to ask my vendor if they would allow me to add a third party to the conversation; someone we both knew and whom I believed would be able to bridge this divide. They agreed, and so, with a respectful nod to Who Wants to Be A Millionaire... I phoned a friend. Luckily this friend, picked up the phone and was kind enough to join us. I started the conversation by saying something like “I know we all go back a long way and as mutually respected professionals, I feel safe to say that I am struggling to communicate my vision and I am reaching out for support. What happened next was truly enlightening. Instantly the tone changed; the tension was gone; the dialogue flowed; my colleague was able to jump in and share the concept in a way that the designer heard and most importantly, hearing someone else’s method of succeeding in this situation allowed me to stand back and see where it was I was struggling and why. After the call my colleague acknowledged my willingness to ask for help; to admit I am not an expert in everything and to reach out to achieve the best results. This little exchange felt like a personal win for me because it provided an opportunity to visually experience my personal growth.

The lesson here? I believe, that so many of us, especially women in events, try to do it all and we don’t ask for help. Event planners have to become experts overnight in decor, catering, registration, logistics, design, tech, plating, guest management, sponsorship, writing… and... more often than not with little experience, we have to just figure it out. After all, how hard can it be right? The cost to this "I can do it all attitude? Time, health, and emotional wellness? This profession is unlike any other. You would never walk into a Public Affairs department or a marketing department and see people jumping lanes all day, back and forth. Most professions don’t operate that way. You have your role and you collaborate, but you are not expected to do everyone else’s job. When did we decide, we needed to be experts at everything? When did we put this kind of pressure on ourselves? As planners and as women we are often afraid to ask for help or we don’t want to. There are lots of A type people in this business and it goes without saying we want to control everything. But what if… just if, the next time you are struggling, the next time you are stuck, instead of slugging it out like I would have done ten years ago and ending up with a potential failure, you reached out and phoned a friend. What would that look like? Probably like it did for me a couple days ago; with a win for everyone, a successful collaboration and a reminder that I have some pretty amazing supports out there and I do not have to do it all.

THE

POWER of

EXPERIENTIAL MARKETING By Stacy Wyatt

Three extraordinary examples of how to use experiential marketing to cut through the clutter and connect directly with the end user.

Mandell Entertainment Group's live event for Roots Canada.

The boom in experiential marketing may lead many to think this is a relatively new marketing strategy but the truth is, the concept has been around for a long time. At the 1893 worlds fair, companies showcased their latest innovations in front of large groups eager for a once in a lifetime experience. Car shows in the 1920s became the popular way to market automobiles to consumers. They did more than just showcase cars in a museum-like atmosphere; they created showy events that motivated people to buy and treasure their cars. Who can forget the Miller Lite Taste Challenge designed to reach people from different demographics in memorable ways. Today, more and more brands are recognizing the opportunity live events offer to cut through the clutter and connect directly with customers Here are three unique examples of companies marrying strategic marketing goals with innovative event design to create powerful experiential activations.

Wildfire Experiential and Events decided to meet the needs of style hungry people across Canada by creating the Style Happy Tour. They transformed a van into a bright pink mobile salon that traveled across the country with a team of four on an epic Canadian road trip. They visited big cities, small towns and everything in between. The objective was to find people across the country having #badhairdays or feeling #blah about their style, transform them into #stylehappypeople and get young Millennials excited about the Chatters brand. The journey began in Vancouver, BC and traveled to key cities across Canada including Kelowna, Calgary, Edmonton, Regina, Winnipeg, Thunder Bay, Toronto, London and wrapped in Ottawa, ON on June 29th. Along the journey, the Style Happy team stopped in small communities with the Style Happy Van to provide a pop up salon experience offering blowouts, styles, haircuts, fun and

Chatters Salon products. Guests were welcomed in to the Style Happy Van, invited to select their style service of choice and then pampered and transformed by on-site stylists. Video captured people’s stories on the spot and their team spread the Style Happy story beyond the communities we visited by creating rich social media content including six online episodes and tutorials. Not only did this experiential campaign generate significant excitement and walkup audiences along the route, numerous local influencers also visited to get the latest topknot, beach waves or fishtail braids, which they then shared via their Style Happy story with the rest of Canada.

THE RESULTS? • Visited 5 provinces, 9 cities, and many towns across Canada • Created 6 Style Happy episodes capturing footage of the pop up salon executions • Visited numerous iconic Canadian places and landscapes • Created complimentary online hair tutorials • Had over 500 Canadian styled in the Style Happy Van

For the Mentos Hello Freshness campaign, Citizen Relations introduced Canadians across the country to Mentos Pure Fresh gum through a buzz-worthy experience that created shareable content for consumers. They built a story using characters called Yeti’s from planet “Fresh” to form a Yeti Invasion across Canada whereby they had run out of Mentos Pure Fresh gum on their own planet, and came to earth for more. Citizen created a team of 20 Yetis – custom made costumes with Mentos blue faces, hands and feet - wearing various branded props. Each costume was designed and “propped” to amplify individual personalities of each Yeti. Yetis were accompanied by 50 Brand Ambassadors wearing Mentos branded t-shirts and deployed around hightraffic downtown locations, and university campuses, in Vancouver, Toronto and Montreal. The activation took place on the same day at the same time in each city requiring over 70

Fresh bottle to the footprint increased visibility, while also acting as a great photo backdrop for photo shoots with the Yetis. They also visited Stanley Park and Kitsilano Beach in Vancouver, dog parks, Kensington Market and Chinatown in Toronto and the Gay Village, Jacque Cartier Bridge skate park and Square Victoria in Montreal. Yetis rode bikes and skateboards, tried poutine and their first Japa Dogs – engaging with consumers and these interactions were captured on video to create social media content which deployed over the 30-day campaign.

activation staff. Teams hit the streets in over a dozen locations throughout downtown cores to create a “takeover effect” – coupled with a strong out-of-home media campaign and PR influencer program to support creating a true “invasion.” In addition to the guerilla street teams, the Yetis and Brand Ambassadors also invaded frosh events on university campuses continuing to make fresh connections. 10’ x 10’ branded tents anchored the experience. Students played branded Plinko games to win full size bottles of gum. Adding a 9’ inflatable Mentos Pure

THE RESULTS? Consumer’s got to meet the Yeti’s in real life forming those connections that can only be made with a high-five, hug or sharing that memory together. Consumers were eager to share their Yeti experiences on social media, while sharing their second piece of Mentos Pure Fresh gum with a friend resulting in distributing over 174,000 samples and garnering +200 million impressions.

Mandell Entertainment Group's live event for Roots Canada.

Mandell Entertainment took a different approach to experiential marketing, where by they didn’t go to the consumer, they brought the consumer to them for a true 360 immersive brand experience.

Using a combination of technology, social media and live event design Mandell Entertainment created a live marketing event for Roots which completely revolutionized the way buyers and influencers interacted with the brand during its peak winter campaign. Mandell was hired to create this experience for fashion media and influencers. The objective was to use a live event to reimagine the highly anticipated and traditional holiday gift guide with a game-changing shopping experience for the beloved Canadian lifestyle brand. Roots Northern Light combined live music, technology, art and fashion, with guests being able to shop the collection as they were seeing it walk down the runway using the “Roots Live” mobile app. To create this epic experience, Mandell used over 400 ft. of screen surface to cover 3 sides of the ballroom. The Roots Live app worked a lot like Shazam but for live events. It scanned the music that was in the room and picked up the ultrasonic sound waves, populating the screen with the individual products guests were seeing on stage. The custom musical score was created by classically trained violinist Andrew Forde with vocals performed by the up-and coming Canadian pop artist Ryland James and accompanied by an original video viewed on huge screens covering three walls of the venue.

Watch The Video

Everything seen on the video was completely original artwork, meant to celebrate the best of Canada from elements to artists and icons acting as the backdrop for the runway, the video also featured lifesized models, which at times, looked so realistic that they could be mistaken for the real models walking the runway. Mandell shot the video on a green screen and then had animators’ custom animate all the backgrounds to put the models in. The result was a surreal blend between the dreamy and the mystical aspects of the holidays that paired with what was in the room creating a sensory overload. The event concluded with a performance by JUNO Award Winning multi-platinum recording artist Ruth B. The use of social media, allowed Mandell to live stream the entire show, extending the live launch of the brands holiday line to the masses and opening an online portal to allow them to buy off the runway as well.

THE RESULTS? • Video Views +1.1MM • Reach +2.7MM • Impressions +7.1MM • Mentions 441 • Engagement 43,000 SPRING 2018 | WWW.CANADIANSPECIALEVENTS.COM | 13

THROUGH THE WARDROBE THE VANCOUVER EVENT INDUSTRY HOLIDAY PARTY FOR ILEA VANCOUVER, MPI BC CHAPTER AND PCMA CANADA WEST Through the Wardrobe: The Vancouver Event Industry Holiday Party for ILEA Vancouver, MPI BC and PCMA Canada West was the 2nd installation of this collaboration between these local associations that share many overlapping members. Produced by Alex Bickers and Heather Sharpe, and Presented by the JW Marriott PARQ Vancouver, this event - Into the Wardrobe was a blockbuster success. Inspired by C.S. Lewis’ The Lion, The Witch and The Wardrobe, and the epic quest of the Pevensie children, Through The Wardrobe: transported over 450 guests directly into the magical world of Narnia. The pre function took place in the “attic” before the towering wardrobe, recreated from the movie design by Production Canada. Upon reveal, an ice Queen and King opened the magical doors inviting guests through the wardrobe complete with accents like faux fur coats and moth balls to recreate the true experience. Guests entered the winter wonderland and were immediately greeted by the iconic lamp post complete with an actual snowstorm. The brilliant winter design was created by Elizabeth Stanley Event Design with lighting and sound effects provided by Innovation Lighting and Showkraft Production Services. A 12-foot-high LED wall by SW Event Technology, towered over DJ Goodspin with mapping by GO2 Productions of Both Aslan, The White Witch and a winter wonderland to complete the look.

The venue, one of the city’s newest and most gorgeous event spaces treated guests to the ultimate in luxury catering with winter feast inspired dishes like roast lamb, forbidden rice risotto and Turkish delight. The Vancouver Event Industry Holiday Party is an opportunity for the Vancouver event industry to come together in the spirit of collaboration to support emerging Vancouver event professionals through funding each associations’ scholarship programs individually.

What You Should Know

When

Considering

Organizations can spend a considerable amount of money to create a new brand. Since business environments change constantly, rebranding can help a firm adjust to a new reality and create a new perceptual space. Many companies do not conduct any market research when considering a brand change; they simply change the name to something that is appealing. However, brands have meaning and they have a history. Market research can discover who or what the current brand really is, and who or what it can be, not just to the current employees, customers or members but also to the potential employees, customers or members it seeks to acquire through a new brand. Market research in terms of gaining reactions and impressions from the target segments of the desired audience is essential to truly understanding the impact, if any, the new brand will have.

Media icon Ellen DeGeneres suggested “Sometimes you can’t see yourself clearly until you see yourself through the eyes of others.” Market research can discover how key groups currently see your brand and compare it to how you hope they see your brand. Market research in the form of focus groups, surveys, interviews and other methods can replace hope with evidence of how the brand will be perceived. Jeff Smith of branding company Sentio Marketing has used the benefits of gaining insight from research into numerous rebranding efforts. “Tapping into the minds of your audience through brand research can provide you insights into how your brand is performing and where there are disconnects with your customer base. Brand research helps provide clarity and identifies where your brand needs adjusting.”

rand change

By James Bost, Jones PR

Kay Holt was the Executive Director for Canterbury Chorale Society, where she led a rebranding effort before she became the Associate Director and Associate Professor of the Graduate Program in Non Profit Leadership at Oklahoma City University. “It is important to hit the refresh button every so often with a communications package,” suggested Dr. Holt. “What can be most amazing about the whole process is the discovery, which can happen when an organization remains open to the art of possibility.” There is a strong conclusion that you need to conduct research, usually by hiring an independent research firm if you do not have a dedicated research department, to fully understand how a new brand could reshape perceptions, and if your efforts will actually achieve that goal. Now that the importance of market research on rebranding has been illustrated, how do you know when you should consider a new brand? Keep an eye out for our next article that will focus on the clues that suggest you need to consider rebranding. SPRING 2018 | WWW.CANADIANSPECIALEVENTS.COM | 23

SENECA STUDENTS CREATE INSPIRING SPACES FOR ANNUAL COMPETITION

Group shot of students from Seneca’s Event Management – Event and Exhibit Design program with John MacBride, Program Co-ordinator & Marta Urbanowicz of Artam Designs Inc. Mya Scott, Gold Award Winner Fashion Show Lunch for Gucci Pre-Fall 2018

Seneca students don’t wait for inspiration to strike… they create it! On February 21, Seneca’s Event Management – Event and Exhibit Design students competed in Inspired Spaces, the program’s annual tabletop challenge. Students were tasked with creating an event for a fictitious client and designed everything from the ground up, including the venue, theme, caterer, florals dor and more. Students also designed sample tabletops, which they showcased to professionals from the event industry.

Vivian Leung received the Silver Award for her fan meeting for Korean idol Suzy Bae. Her tabletop included dozens of candles and miniature flower vases in a soft palette of mauves and pinks. Images of Suzy were scattered across the table as takeaways for the guests.

“This event is possible through the hard work of Seneca students, faculty, and the generosity of Event Rental Group, ILEA Toronto, Presidential Gourmet, Artam Design, Jackie O, The Butler Did It, and Canadian Special Events Magazine,” says John MacBride, Program Co-ordinator of Seneca’s popular program.

Danielle Webster received the Industry Choice award for her Underworld Wedding. Her lush and dark tabletop was based on the greek myth of Hades and Persephone and was the perfect choice for her alternative couple: the groom is a tattoo artist and the bride is a fashion buyer.

Mya Scott received the Gold Award for her Fashion Show Lunch for Gucci Pre-Fall 2018. Her tabletop reflected the edgy and often mismatched patterns that make up the Pre-Fall collection.

EATERTAINMENT DEBUTS

LAMBORGHINI

URUS

Luxury card brand Lamborghini’s “Urus” made its Canadian debut to 300 guests at the Design Exchange in Toronto earlier this year with the iconic Eatertainment Events & Catering at the helm of the creative design and execution. With a history of orchestrating launch events for luxury car brands not only in Toronto but worldwide, including the BMW M Series in Istanbul & Capetown – Eatertainment was ready and well versed when they got the call from Lamborghini's media agency Iris Worldwide to unveil the world’s first Super Sports Utility Vehicle hailed as the fastest SUV on the planet. The art deco architecture of The Design Exchange provided the perfect atmosphere for the masculine brand with minimalist seating vignettes and simplified florals to accent the venues already stunning environment. Eatertainment's Director Sebastien Centner, together with Executive Chef Christopher Matthews, worked in tandem with Lamborghini's Executive Chef Andrea Zanin to develop the menu. The Inspiration for the cuisine came from the brand's own philosophy: start with the best of the best ingredients and they did, including serving Italian wines such as Valpolicella and prosecco. No event is ever without challenges; "It was a U.S media office working with a Canadian catering & events company for an Italian brand", says, "so it was an important task to make sure nothing was lost in translation." said Eatertainment Senior Event Manager Michel Dauda.

OPENING NIGHT

ALL PHOTOS BY AGI STUDIO

Delegates could not stop talking the Opening Night Kitchen Kiki, produced by POP Kollaborative Live Experience Agency and hosted by The Addisons Residence; an uber cool venue in downtown Toronto owned by the John Doe Group. The event’s theme was based off the iconic kitchen party and was inspired by the hit song by Scissor Sisters - Let's Have A Kiki. Producer, Meghan Hird, Director of Live Experiences at POP, made sure it and lived up to its name by creating a super chill vibe for delegates to get comfortable, connect and unwind with great tunes and low key, throwback entertainment like 70’s table games Jenga and Trivial Pursuit. The venue, is already designed to replicate a high-end residence so Decor & More Inc was able to add a few finishing touches to complete Meghan’s vision. What made this event distinctive and so well received by attendees was the way that every detail was crafted to consider engagement and guest comfort. From fabulous cocktails and a custom designed menu to the “less is more” concept that allowed everyone to effortlessly move through the space, guests were able to relax, unwind and enjoy a really good party.

Food was the real centerpiece of this affair. Meghan collaborated with Gourmet Cuisine, to design a menu that would tell the story of the event and shape the guest experience. The innovative dishes ignited fond memories of late nights at the kitchen counter. Guests dined on comfort food with a twist like "Not Your Tomato & Grilled Cheese”, Blue Corn Pogos, Pineapple Pizza Shots, Little Mac Ramen Slider (with a Vegan “Beef” Patty, and vegan Mac Special Sauce), Jackfruit Crab Cakes and Mini Mexican Nachos. Desserts included End of the Bowl Bites” (Mini Charms Marshmallow Milk Jam, Cereal Crust) and Inside Out Joe Louis. The entire menu was designed to bring us home and that it did. In addition to Gourmet Cuisine, Rodney's Oyster House provided fabulous freshly shucked oysters and POP sponsored a Frosé (Frozen Rosé) provided by John Doe Group.

The concept of a family residence, injected with the personality of The Addisons, creates a true feeling of a house party. The residence is 4500 sq. . 400 person capacity venue with 3 fully functional bars. Modular furniture throughout each of the house inspired rooms, Kitchen/Dining Room, Living Room & Den are separated by glass doors and can be fully customizable to suit your every need. State of the art DJ booth, outfi ed with complete audio setup help make your event more enjoyable. The 5000 sq. . 400 person outdoor patio is a beautiful backyard oasis in the heart of downtown. A hidden gem equipped with 2 fully functional bars, communal seating, outdoor kitchen and life size games.

TRADE SHOW Canada's premium event vendors brought their "A" game to CSE Live 2018 to create a one of a kind experience for everyone who walked through the door. The interactive show floor was designed for delegates to discover something new around every corner. Innovative and unique vendors showcased products, performers, food, design, technology and affordable solutions in a way that made attendees feel like they are exploring ideas rather than attending a trade show.

ALL PHOTOS BY AGI STUDIO

The latest in gaming and photo tech showcased one of a kind experiences like a mini curling rink to a VR Rollercoaster to insane displays of indoor tenting. Performers roamed the aisles and pop up conversation pods lined the floor creating just enough quiet space for a chat but not far enough to miss any of the action.

Food once again took center stage with the GIANT Tasting Lounge. This fresh element of CSE Live was a massive hit with attendees who lined up all day to sample products served by local purveyors of specialty food and drink. Patricia's Cake Creations, Edible Balloons, Lab Sense, Dixons Distilled Spirits, Leslieville Cheese Market, Rodney's Oyster House, Mad Mexican and Cotton Wood Agency Wines & Spirits were just a few of the Tasters at CSE Live 2018. Oliver and Bonacini showcased their edible dirt salad experience and epic take on food presentation, while Gourmet Cuisine, Succulent Chocolates and Sixty Six Brix shared their unique and innovative food ideas.

Vendors and attendees gave rave reviews about this year's event calling it the best show they have experienced with CSE. After 21 years that's quite the compliment. The success of this year's show was due in part to the incredible event partners (found on page 39). Media partnerships and strong industry relationships make CSE Live thrive and allow the show to continue to evolve with the changing industry. Huge kudos to all the partners who took ideas, inspiration and their passion for events and created a valuable experience for everyone who participated. Save the Date for March 25-28, 2019.

AWARDS GALA Hotel X Toronto was the setting of the 2018 Canadian Event Industry Awards Gala, where hundreds of the country's most elite planners, producers, and designers came together to celebrate their success and cheer on their peers. The event was quite the experience with stunning decor, exquisite cuisine, a fabulous venue and a team of professionals who worked together to build a night that would inspire the most discerning event planner; and‌ it did just that. ALL PHOTOS BY AGI STUDIO

Produced by Corey Mandell, President, Mandell Entertainment Group, the Xperience theme played off the Hotel X logo and was a nod to the level of service and experience one Xpects at a Library Collection Hotel. Thanks to the breathtaking designs by Decor & More Inc and entertainment by The Idea Hunter, the arrival space was striking. Set in front of a towering topiary wall, one of Hotel X Toronto's signature visuals, guests walked into a scene somewhere between ethereal and architecturally ideal. A colossal magical bird greeted guests, as models in natureinspired costumes led the way through the beautiful hotel lobby to the 3rd floor Victory Ballroom for the reception. The CEIA Gala is known for its Xquisite food and this year was no exception. Peter & Pauls Event Catering, is the in-house culinary team for Hotel X Toronto and led by their Director of Catering Laurie Bernardi, went to Xtreme lengths to plan and serve an Xceptional high-end menu. The event began with host Ben Mulroney speaking from backstage via hologram, courtesy of his new venture ARHT Media Inc introducing an unexpected presenter. The presenter, impersonating the President of a newly formed “event association gave a provocative speech designed to stir controversy and get the audience rattled. Just as he started to get the crowd good and riled, off came the glasses and with a slight hair tussle, the mystery man's true identity was revealed as he broke into song and was joined on stage by his castmates from none other than the hit Broadway sensation the Jersey Boys. The crowd went wild. Other Highlights of the night includes performances by DATU, a one of a kind performance group presented by The Idea Hunter, and special appearance by Sean Jones and Miles Raine. In all, awards were handed out to 48 talented companies and individuals who truly embody what it means to be an award-winning event professional in Canada. 21 years in the making the gala was a brilliant success. Thanks to Mandell Entertainment for their unmatchable creativity and all the partners for your incredible collaboration..

The reception space was beyond impressive. Stefanie Dunn of Decor & More Inc, designed a luxe, modern environment playing off the hotel’s natural esthetic while bringing in pops of colour from the CSE brand. Gorgeous white and chrome furniture accented with glowing candles, shades of pinks and magnificent flowers made an already beautiful space into a room that complemented both the event and the brands involved. Abbey Road Entertainment created an uber chic gaming lounge complete with casino tables and the latest in VR and adult games. The entire event was flawless. From Ben to the holograms, the recipient speeches, the comradery, humor, pride and amazing partnerships. Congratulations to again to Mandell Entertainment for their creative vision and to all the generous event partners for their wonderful collaboration. THE MARRIAGE OF TUNES & TECHNOLOGY By Crystal Adair-Benning

You’re at an event. There are great cocktails, delicious food and a band that’s shaking up the dance floor except they never play your song. You flew to the moon, partied all night long and even put a ring on it, but what you haven’t heard is your jam. Most people don’t know this but bands, even with big repertoires, struggle to adjust their set and perform random requests. The logistics make it almost impossible… until now. Customization on the fly is now a thing and you can find it from All Request Live, a 10-piece band of talented musicians who mix, twist, and take requests both in advance of your event and on the fly. Combined with video and app technology, guests can pick and choose what keeps your dance floor filled and your brand or event top of mind. This new event tech was done in Quebec recently for a pharmaceutical company’s evening event. The event theme was inspired by technology with LED furniture, three huge projection screens and full wall live-eye projections of the band. Using the

conferences own app, the band seamlessly integrated their performance by having the app push a notification to the guests moments before their arrival inviting them to make requests from the band. Easily accessible via mobile device and/or kiosk the guests swarmed the band with hits ranging from early Beatles to Gaga and everything in between. Over 100 requests before guests even entered the event. So how does it work? With a song list of over 400 unique songs, the band mixes on the fly and flows seamlessly from song to song with sheet music instantly uploaded to their iPads when a request is made. In addition to the live requests, music videos also play in sync on screens behind them. With the co-mixing of technology and entertainment a hot-topic in the events industry, All Request Live has created a one of a kind opportunity for planners to enhance the guest experience. They can also brand the kiosk and the app, control how many songs

and which ones are allowed to be played and even foster competition and communication with guests by having them request songs and the most requested bumps up the cue to be played first! The best may be yet to come as this revolution in

technology meets entertainment with apps being built for fundraising to support charity with song requests for cash, visible branding and an experience worth cashing in on. For bookings, visit www.theideahunter.ca.
