Centennial Place provides accommodations for a diverse group of cultures, backgrounds, and personalities each year and it is our team’s objective to offer you a warm and inviting home in which you can be academically successful, as well as to share in positive and memorable experiences that will last you a lifetime.

Staying in residence is truly an integral part of acquiring the complete post-secondary experience, and we are excited that you have chosen to fulfill that experience by staying with us at Centennial Place. Residence is about so much more than the beautiful building that encapsulates our vibrant community—but about the friends you meet, the relationships you form, the experiences that you share, and the memories you create. Introduction

The Resident Handbook provides answers to many frequently asked questions about living at Centennial Place. It also outlines important policies that complement those detailed in your Lease Agreement. Both the Lease Agreement and the Resident Handbook serve as valuable resources throughout your stay at Centennial Place, and residents are expected to follow all rules and regulations outlined in these documents, as well as all applicable municipal, provincial, and federal laws.

As a Resident, you are strongly encouraged to read the Resident Handbook in its entirety.

Management reserves the right to amend or change the rules and regulations at any time by providing notice to the community.

Meet the Team Management Team | General Manager The General Manager (GM) has oversight of the Residence operations and has the ultimate responsibility for residents, staff, and the property. The GM’s responsibility includes direct and indirect management of staff, the business and financial operations, contract and vendor management, and facilities upkeep.

| Assistant General Manager The Assistant General Manager (AGM) oversees the day-to-day operations of the property. Part of the AGM responsibilities include the front desk operations and oversight of the Leasing Assistants. The AGM is here to assist all residents and departments.

| Residence Life Coordinator The Residence Life Coordinator (RLC) is responsible for supervising the Resident Assistants, establishing a successful community, and managing the on-going training and student development portfolio. The RLC will work towards building a strong and supportive environment for you to make the most of your Residence Life Experience.

| Leasing Manager The Leasing Manager (LM) is responsible for ensuring the correct process is completed for all signed lease agreements. The LM also oversees the marketing of Centennial Place.

| Bookkeeper The Bookkeeper (BK) is responsible for managing resident accounts, follow-up on collection of monthly instalments in a timely fashion, application of fees/fines levied to students for late charges and/or conduct sanctions and filing of delinquent past resident accounts with a Collections Agency. The BK also supports the processing of invoices and cheques, as appropriate.

| Maintenance Manager The Maintenance Manager (MM) is responsible for all maintenance and housekeeping at Centennial Place. From solving work-orders in your room, to ensuring an optimal performance of this top-class building, the MM and their team do their very best for you, so that you can live in comfort at Centennial Place.

Residence Life Team Resident Assistants The RA is a full-time student living at Centennial Place. Your RA acts as your contact for building information, events, programming, lock-outs, maintenance issues, roommate conflicts, neighbor issues, and emergency assistance. The RAs play an integral part in our daily operations. They are charged with responsibility for maintaining community standards and safety, performing administrative tasks, working as a team player, and developing a sense of community.

Front Desk Assistants The Front Desk Assistant is a full- or part-time professional staff member who assists with administrative duties through the Front Desk operations at the building. This includes marketing, leasing, customer service, resident support, provision of tours, and sign-in or sign-out of Guests. The FDA also supports in the creation of promotional content, whether in print, email, or online (digital, social media, etc.)

Centennial Place is divided into 8 houses. Each of these 8 houses have 1 to 2 RAs in charge of creating a community and supporting the residents living in these specific floors. Your house RA information is available on your floor’s information bulletin board.

PERKS AND REC MAIN LOUNGE

Located on the ground floor, past our main lobby, this open concept floor amenity provides space for socializing with other residents, studying, and hosting residence events.

AMENITIES ACCESS

Management reserves the right to close or adjust the hours of operation for all amenity spaces.

Residents are responsible for any intentional or unintentional damages they (or their guests) may cause to Centennial Place property. Guests are not permitted in any amenity space without being escorted by a Resident. Residents and guests must abide by all posted rules and signage.

BIKE STORAGE ROOM

Residents may store their bicycles in the designated bike storage room located on the ground floor.

Residents are responsible for providing their own locks and ensuring their bicycles remain secured at all times.

To register a bicycle, residents must visit the Front Desk for registration instructions and email a photo of the bicycle to centennialplace@liveksc.ca along with their bike storage access request. Once the registration process has been completed, Centennial Place staff will provide a numbered bike tag that must be attached to the bicycle and will update the resident’s keycard to grant access to the bike storage room.

If ownership of a registered bicycle changes, the original owner must notify Centennial Place by email at centennialplace@liveksc.ca and provide the name of the new owner.

Please note: Any bicycle left behind after a resident moves out will be considered abandoned property. Centennial Place will attempt to contact the previous owner for retrieval. If the bicycle is not collected within one week of the resident’s move-out date, or if there is no response from the owner, the bicycle will be donated. Centennial Place is not responsible for any lost, stolen, or damaged property.

THE CENTENNIAL EXPRESS - NEWSLETTER

Every month, Residents will receive an electronic monthly newsletter from the Centennial Place staff via email. The Centennial Express Newsletter will contain important building information and programming updates.

COMMON KITCHENS

Common kitchens are available on floors 2-8. Residents must responsibly use the facilities and clean up after themselves. Residents should never leave their cooking/baking unattended. All food placed in common refrigerators should be labeled with the resident’s name and the day it was put in the fridge. Old or unlabeled food will be thrown out. Every week the fridge will be disposed of the rotten food, dirty utensils, etc. When cooking, Residents must abide by all appropriate safety protocols, including by not limited to: attending cooking food, using proper ventilation, etc. Common Kitchens are shared spaced and the property of other’s should be respected. in the common kitchens is at your own risk. Centennial Place is not responsible for any lost/stolen food or supplies.

EQUIPMENT RENTALS AND SIGN OUTS

Centennial Place offers a variety of items available for rent and sign-out through TULU, a smart rental service located in the lobby. TULU provides residents with on-demand access to everyday essentials, including household items, printers, and other convenient equipment. Residents may access this service by downloading the TULU app and registering for an account.

TV remotes for the theatre rooms located on the 3rd and 6th floors may be signed out through the Front Desk. Residents must present a valid photo ID so staff can verify their identity, unit number, and sign-out details within the system. Equipment rentals and sign-outs are available to residents only.

Residents are responsible for any loss, damage, or misuse of signed-out equipment beyond normal wear and tear. Failure to follow sign-out procedures, return equipment on time, or properly care for equipment may result in the suspension of sign-out privileges and/or charges for replacement or repair costs.

To ensure fair access for all residents, signed-out items may be borrowed for a maximum of three (3) hours unless otherwise approved by management.

Please note: TV remotes must be returned to the Front Desk immediately after use. Residents may be held responsible for any unreturned or damaged items.

FITNESS AREAS

Residents will be able to maintain a healthy lifestyle through access to a variety of fitness areas, including the Fitness Room and Cardio Room (Gym) on the 4th floor.

PELOTON BIKES

Centennial Place provides residents with access to Peloton bikes located in the 4th floor Fitness Room. Residents may use these bikes for workouts and can create a personal Peloton account to access a variety of instructor-led classes, cycling programs, and fitness content at no additional cost, as the subscription is covered by Centennial Place. All users are expected to use the equipment responsibly, respect shared access, and follow all posted fitness room guidelines while using the space.

FLOOR LOUNGES

There are multiple floor lounges throughout the building; including, but not limited to: common kitchens, study lounges, fitness areas, games rooms, movie theatre and more. Residents are welcome to make use of all these amenities 24/7. Access is provided on their personal Salto card. Residents must abide by Centennial Place community standards when using these spaces.

LAUNDRY

Centennial Place features an app-operated laundry facility located on the ground floor. Residents must follow all posted instructions carefully to prevent overflow, misuse, or damage to laundry equipment. The dryer lint trap must be cleaned before and after each use. If assistance is required, residents may contact the Front Desk for guidance on proper machine operation.

Residents must be aware that this is a shared facility and must remove their laundry as soon as the washing or drying cycle is complete. Any abandoned laundry or items left unclaimed in or on top of machines may be removed and disposed of after 48 hours. Centennial Place is not responsible for any lost, stolen, or abandoned laundry items.

Residents are able to pay for and track the status of their laundry using the Coinamatic App on their mobile devices. Instructions for downloading the app are available by scanning the QR code located in the laundry room. For any service issues or concerns, residents may contact Coinamatic directly at 1-800-561-1972.

MAIL ROOM

The mail room is located on the ground floor. All mailboxes are shared by unit number. Please ensure you regularly check your mailbox. Do not open any mail that is not addressed to you. Centennial Place is not responsible for lost, stolen, damaged or opened mail. Residents who do not have a mailbox key may request assistance from the Front Desk to open their mailbox by presenting a valid piece of photo ID. When oversized mail/packages arrive, Centennial Place staff will sign for the item and contact the recipient for pick-up at the lobby Front Desk. Residents will be contacted via email. Cash-on-Delivery and packages containing food or cannabis will not be accepted by property staff. Oversized mail/packages will be stored for five business days before they are returned to sender.

PACKAGES DELIVERY

Centennial Place offers 24/7 package reception services for residents.

All couriers and deliveries are received at the Front Desk. Delivery personnel are not permitted access to residential floors.

Centennial Place uses Luxer One, a secure and automated package management system.

Most carriers (including Amazon, FedEx, and UPS) will log packages directly into the Luxer One system. Once a package has been processed, residents will receive an email notification from Luxer One with instructions for package pick-up.

Larger packages or deliveries that are not processed through Luxer One will be logged by Centennial Place staff through the resident’s Entrata Resident Portal. In these cases, residents will receive an email notification advising that their package is available for pickup at the Front Desk. A valid piece of photo ID must be presented when claiming the package.

Residents are encouraged to monitor their package tracking information and collect deliveries as soon as possible after notification.

Residents must wait until they receive an official email notification confirming that their package has been processed and is ready for pick-up before attending the Front Desk.

GROCERY/FOOD DELIVERY

Centennial Place does not offer grocery & food reception.

Food & Grocery Deliveries must be picked up by the resident from the delivery person. At no point, will Centennial Place receive a food delivery on behalf of a resident.

Centennial Place is not responsible for any aspect of the Grocery / Food Delivery Services. This includes but is not limited to any missing deliveries, quality of food, tracking of delivery, etc.

Residents must be present at the time of delivery to receive their food or groceries. Deliveries must be handed directly to the resident by the delivery person.

Deliveries must remain with the delivery driver until the resident is available to receive them and should not be left unattended in the lobby, vestibule, or any other common area.

If a delivery is left in the vestibule, residents will have a maximum of 3 hours from the delivery time to collect it. After this time, Front Desk staff will dispose of the items to maintain hygiene and safety standards.

Delivery Staff are not permitted to go upstairs.

Centennial Place is not responsible for the food delivery pick up.

Residents are encouraged to track the delivery estimated time of arrival and pick it up as soon as possible.

At no point will Centennial Place Staff notify residents regarding these deliveries or store them at the Front Desk.

The Residence Assistants plan a variety of residence life programs throughout the year, which help create a community conducive to healthy living, personal growth, academic achievement and personal success here at Centennial Place.

We endeavor to provide a diverse programming model to engage our residents in topics surrounding health and wellness, employability, financial awareness, academic support, mental health awareness, diversity and inclusion awareness, sustainability and community engagement.

ROOM BOOKING

Common area amenities usage is designed to be used on a first-come-first-served basis. Reservations are not available for the lounges.

PAY ‘N’ GO MARKET

Centennial Place’s Pay ‘n’ Go Market is located in the lobby on the ground floor. Features beverages, snacks, toiletries, fresh coffee, and more. The Market is unattended. Residents are not permitted to remove items from the Market without first paying for the item at the Check-Out Station. Security cameras protect against theft. These premises are monitored 24/7 by CCTV and violators of this policy may face legal consequences from local authorities, in addition to Residence Fines and Sanctions.

CENTENNIAL PLACE OPERATIONS ENTRATA RESIDENT PORTAL

Our community utilizes the Entrata Resident Portal to provide residents with convenient, 24/7 access to important services and information. Through the portal, you can: • Pay Rent Online – Set up one-time or recurring payments securely.

• Submit Maintenance Requests – Quickly report any maintenance issues and track progress.

• View Account History – Access your payment and lease information anytime.

• Receive Community Updates – Stay informed with announcements and notices from management.

• Communicate with Management – Send and receive messages directly from the leasing office.

You can access the Entrata Resident Portal via desktop or mobile app. We encourage all residents to register upon move-in to take full advantage of its features and streamline your living experience.

BUILDING ACCESS

Centennial Place is accessed through a variety of card readers located at the main entrance, elevator gates, stairwells, and the front door of your unit.

At move-in, all residents are required to arrange collection of their MyCard within the first week, as it will be needed for entry to the residence after the initial new arrival period.

If your MyCard is lost, stolen, or damaged, you must purchase a replacement through the designated MyCard office at your campus. Please refer to Page 15 for Lost/Misplaced Access Card Procedures.

CENTENNIAL PLACE OFFICE

Our Leasing and Management office is located on the 1st floor, directly across from the Front Desk.

Residents are welcome to contact management with any concerns or simply stop by for a chat. The office is open Monday to Friday, 9:00 a.m. to 5:00 p.m.

MOVE IN/MOVE OUT

Residents are required to follow the move in schedule established by Centennial Place. Within 48 hours of move-in, residents should complete the Unit Condition Inspection found in the Resident Portal. Failure to submit this report will result in Centennial Place assuming the leased premises is in perfect condition.

Residents will vacate the premises by 12pm (noon) on the final day of tenancy unless they have renewed the lease agreement for the next term. The leased premises should be left in clean, undamaged condition with all personal effects and trash removed. Should Centennial Place be required to clean the premises as a result of resident’s failure to comply, charges may ensue.

Additionally, if Resident’s failure to comply delays a new occupant from moving in, Resident shall be liable for charges associated with the new occupant staying elsewhere in the interim.

All move-in and move-out procedures must be completed through the Entrata Resident Portal.

RENT INSTALLMENTS

Installment payments must be made through pre-authorized payments via Entrata Resident Portal or by submitting post-dated cheques on or before the 1st day of each month. Please note that late fees may apply for payments received after the 1st. Accepted methods of payment include personal cheques, certified cheques, and credit or debit card payments made through Entrata Resident Portal.

INSURANCE

Prior to move-in, all residents must provide proof of rental insurance. Keys will not be provided until proof of the policy is obtained.

SECURITY CAMERAS

Security is a priority at Centennial Place. There are numerous security cameras on property both inside and outside the building. The coverage includes but is not limited to: corridors, common areas, and elevators. The system is in place to address serious safety and security concerns related to the property and business. At no time will a Resident be granted access to view security camera footage.

Should a concern be brought to our attention by a Resident, a camera investigation can be requested at centennialplace@liveksc.ca with the following details: • • • • •

Reason of the request Details of the event requested Exact location of the report: (Floor, Amenity, Location) Time frame (A search can only be conducted should the date and time be specific in nature with no more than a 2-hour window) Centennial Place is not responsible for “lost and found” searches. For example, items left behind in common areas.

LOST AND FOUND

Centennial Place is not responsible for any lost or misplaced items. Personal belongings left in common areas must be retrieved promptly, as staff are unable to store or hold items left behind.

WORK ORDERS

If a repair is needed in your unit, Residents are required to inform the office immediately via the online maintenance request form on their Entrata Resident Portal, they can also visit the Front Desk, or reporting the issue to your RA. Failure to report items in need of repair may result in financial responsibility for the necessary repairs and/or subsequent damages. After-hours emergency repairs (i.e. leaks) must be reported immediately to the RA On-call at (416) 400-2962. If there is no answer on the RA phone, call security at (416) 289-5000 ext. 52020. Please know that work orders submitted after 3:00PM may not be addressed until the next business day.

Except for normal wear and tear, residents are responsible for all repairs/replacements in the premises/leased premises, including common areas of the Residents unit. Should a Resident cause damage to another Resident’s belongings (knowingly or unknowingly), the perpetrator will be held responsible.

Prior to arranging any repairs, residents must obtain approval from Centennial Place. Repairs will be made by Centennial Place or by a Centennial Place approved and/or selected tradesperson.

FUMIGATION & PEST CONTROL

Furniture, furnishings and personal effects of the Resident brought to the premises/leased premises are subject to inspection by Centennial Place and may require Resident to fumigate some or all of these items. From time to time, inspections may be done by Centennial Place to determine if fumigation is needed.

If you notice a pest issue, you must report it to the office immediately so we can help remedy the situation. Residents must also comply with recommendations from the pest control company and prepare for treatments as required. Treatments cannot be refused. Residents will be responsible for any costs associated with pest control as a result of their actions.

UNIT ENTRY

With reasonable notice (24 hours), Centennial Place has the right to enter the premises/leased premises for the purpose of performing health and safety inspections, preventative maintenance, complete a work order, occupancy checks, or other necessary work. Entry is made during the hours of 9AM – 5PM. Repairs made that are found to be the responsibility of the Residents (see “Work Orders”), or cleanliness issues noted (see “Cleanliness”) may be charged to your account.

In case of facilities or resident emergency, Centennial Place may immediately enter the leased premises at any time without notice. Residents will be notified after an emergency unit entry was performed.

UTILITIES

The following utilities are included with your lease agreement: water (hot/cold), electricity, heat, A/C, and Wi-Fi. Internet access will be provided through a third-party provider. Any issues with internet access must be addressed through the third-party provider: Single Digits at 1-877-778-9283

AUDIO VISUAL RECORDINGS The use of Centennial Place facilities as a venue for audio visual recordings for personal, academic, or professional purposes is prohibited without management approval. Community Standards At Centennial Place, Community Standards are intended to support a safe, respectful, and inclusive living environment. Residents are expected to comply with the Resident Handbook, Lease Agreement, community expectations, and applicable laws. Residents are also responsible for the conduct of their guests.

When a Community Standards concern is reported, Residence Staff may review available information, meet with involved residents, and determine an appropriate response. Residents will generally have an opportunity to provide their perspective before a decision is made.

Depending on the nature and severity of the concern, one or more of the following steps may occur: 1. Verbal Warning 2. Written Warning 3. Conduct Meeting 4. Decision Letter 5. Educational or Administrative Sanction 6. Appeal (if applicable)

Not every situation will require every step. Responses will be based on the nature, severity, frequency, and impact of the behavior.

Interim Safety Measures Where there are reasonable concerns regarding safety, security, harassment, threats, violence, or significant disruption to the community, temporary administrative measures may be implemented while concerns are reviewed.

Interim measures are administrative in nature and do not constitute a finding of responsibility.

Accesibility and Accommodation Animals

Centennial Place Residence is committed to supporting an accessible and inclusive community.

Residents requiring accommodation related to disability, religion, family status, or other protected grounds under the Ontario Human Rights Code should contact Residence Management to initiate the accommodation review process.

Pets that are not approved as part of an accommodation are strictly prohibited within the residence.

However, in accordance with the Ontario Human Rights Code and the Accessibility for Ontarians with Disabilities Act (AODA), Centennial Place has a duty to accommodate residents who require the assistance of a Guide Dog, Service Animal, or Emotional Support Animal (ESA).

Accommodation requests for a Service Animal or Emotional Support Animal will be reviewed by the General Manager on a case-by-case basis. Residents may be required to provide documentation reasonably necessary to support their accommodation request. Approval is not guaranteed and will be based on the supporting documentation provided.

Requests for this purpose will require: 1. A letter/ Email sent to the General Manager, with a copy to the Leasing Manager and Residence Life Coordinator 2. Medical documentation from a Physician 3. Completed Pet Addendum Form 4. Completed Accommodation Animal Request Form If your request has been approved, please note that the service animal or ESA: 1. Must be accompanied and controlled at all times by the resident; 2. Partner must remain in close proximity to the service animal or ESA, unless the partner is in an area where the animal is not allowed, and at this time the animal must be crated; 3. Must be housetrained; 4. Must be restrained on a leash (no more than 4 feet) or harnessed at all times, unless the animal is confined to a crate; 5. Any aggressive or disruptive behavior displayed by the animal will not be tolerated or permitted and will result in a case review; 6. The resident is responsible for any damage(s) caused by their animal; 7. The resident is responsible for ensuring that their animal is kept clean, groomed and odor free. *This list is not exhaustive *Submitted documents do not guarantee approval from the General Manager. Alcohol

Consumption of alcohol must comply with all federal, provincial, and municipal legislation. Alcohol is only permitted in a Resident’s personal living space. Alcohol is not allowed in the common areas of the community in any form or container.

The following list provides further guidelines for alcohol consumption on Centennial Place property: • Mass Consumption and Drinking Paraphernalia o Possession and/or consumption of 'common source' alcohol (e.g. kegs, mini kegs, beer balls, 'swish barrels' and other large containers of alcohol, etc.) and/or the participation in activities to promote mass consumption of alcohol/drinking games (e.g. funnels, beer bongs, century club, beer pong, etc.) are not permitted. o Alcohol left behind exposed in common areas will be disposed of, and Centennial Place will not be responsible for any discarded items.

Cannabis

Possession of cannabis must comply with all applicable laws.

The smoking, vaping, burning, aerosolizing, or otherwise consuming cannabis within the residence, including units, balconies, common areas, and amenity spaces, is prohibited.

Residents may lawfully possess cannabis products within their unit provided they are stored in sealed containers and do not create odours, safety concerns, or conditions that interfere with another resident's reasonable enjoyment of the community.

The cultivation, production, processing, sale, distribution, or gifting of cannabis products from the residence is prohibited.

Cannabis plants are not permitted within the residence.

Cleanliness and Trash Removal

All garbage, refuse and other types of waste must be disposed of in the Garbage Rooms located on each floor. Trash should be disposed of promptly and properly. Oversized refuse will require a work order.

Each resident is responsible for cleaning and keeping their assigned unit and all furnishings in a clean, safe and sanitary condition at all times. If excessive garbage or unsanitary conditions are found during unit inspections (i.e. move out, room transfer, quarterly), Residents will be notified and given time to rectify the issue. If the issue remains, residents will be charged an excessive garbage removal fee.

Centennial Place property is to be respected. Residents will be held responsible for any costs associated with intentional or unintentional damage of unit/ hallways/ common areas as a result of their actions. Damage occurring in shared or common areas may be charged collectively to residents of the unit when responsibility cannot be determined.

Stickers, adhesive tape, nails, screws or hooks may not be used on floors, walls, woodwork or doors.

Non-marking adhesive materials are permitted in moderation. Vandalism is defined as the willful or malicious destruction of Centennial Place property. Tampering with Security cameras, fire safety systems, and life-saving equipment is strictly prohibited. Any vandalism directed towards an individual or individuals may also constitute harassment.

Fire Safety

Students are not to use fire exits or in any way tamper with fire doors except in an emergency. This includes the propping open of floor entrance doors. fire equipment (eg. Sprinklers, Fire Extinguishers) or detection equipment for any purpose other than in the case of a fire.

DO NOT use sprinklers/sprinkler heads to hang any item. It is important to know that covering your smoke detector in your unit or removing the batteries puts everyone’s life at risk, and if reported to the Fire Department, could result in fines of up to $5000.00 or possible imprisonment. Always leave any Residence facility during an evacuation (this includes but is not limited to fire alarms and/or drills). Personal living spaces should be kept in such a manner that escape during an emergency is always possible (i.e. doorways/exit pathways should remain clear).

Residents should take reasonable precautions to prevent accidental activation of fire alarms, including proper supervision while cooking and compliance with residence prohibited items (See Page 18).

In all cases of fire alarms Management reserves the right to investigate the cause. Should the investigation result in finding that resident(s) triggered / caused the fire alarm, the City of Toronto Fire Services Invoice will be charged to the resident(s) responsible.

Electrical and Life Safety Residents shall not: • • • • •

Overload electrical circuits Daisy-chain extension cords or power bars Cover air vents Obstruct hallways, exits, or fire routes Use damaged or non-certified electrical devices

All electrical appliances brought into the residence must bear a recognized safety certification.

Failure to comply with electrical and life safety requirements may result in removal of prohibited items and additional action where warranted.

Centennial Place Amenities are equipped with premium furniture for all resident’s enjoyment. This furniture that includes but is not limited to: tables, couches, bean bags, weights, yoga mats and chairs must remain in its original lounge and at no point residents should take into their personal units.

Unit: Unit furniture must remain within the unit. If you would like a furniture piece removed, residents must request approval from management, tenants should not place suite furniture in common areas, doing so will result in replacement charges at the end of the year, as the furniture will be considered lost.

Guests

Residents are responsible for the conduct of their guests at all times. A guest is any individual who is not a resident of Centennial Place. Failure of a guest to comply with the Community Standard will result in the host Resident being held fully responsible for any infraction. It is the host's responsibility to inform their guests of Centennial Place’s Community Standards.

Residents must: • • •

Sign in their guests where required by property procedures.

Escort their guests while on the property.

Ensure their guests comply with all Community Standards.

Residents may host a maximum of five (5) guests at one time.

Overnight guests are limited to: • •

A maximum of three (3) consecutive nights; and A maximum of five (5) nights per calendar month.

All overnight guests require the consent of roommates sharing the unit.

The residence may restrict guest privileges where repeated concerns regarding safety, security, occupancy, or Community Standards occur.

Illegal Drugs and Substances

Residents are prohibited from being involved with possessing, using, manufacturing, and trafficking any illegal drugs anywhere on the Centennial Place property. Students will be documented for any smells, residue, and/or paraphernalia associated with the use of illegal drugs. We will immediately contact the authorities if any student found in possession of, manufacturing, or trafficking illegal drugs.

VIOLATION OUTCOME:

Severe disciplinary sanctions will be imposed on students found in possession of prohibited alcohol or drug paraphernalia, and may include sanctions up to and including termination of your Residence Agreement, as well as the involvement of Campus Security and Toronto Police Services, who may seize any drugs or drug paraphernalia upon inspection of the unit and/or the resident’s belongings.

Keys/Access Cards and Locks

Residents are to keep their access cards/FOB/bedroom key in their possession at all times. Access cards/FOB/keys are not to be in anyone else’s possession. If a person other than the resident is in possession of the resident’s access card/FOB/key, it will be confiscated. Residents shall not alter the locking system on any door giving entry to the premises/leased premises, during the term of the lease. In the event Centennial Place believes resident safety is compromised, a lock change may be completed immediately. Residents are not permitted to make copies of keys to the premises/leased premises or to lend their keys to any other person.

All keys issued at move-in shall be returned to Centennial Place upon lease termination: Access Cards/FOB, Bedroom Key, Mailbox Key. Residents will be held responsible for the cost of all replacement keys/cards/FOB including bedroom keys, mailbox keys, and/or access cards. Access cards/FOB/keys should not be altered in anyway (i.e. Please do not punch a hole in the access card).

LOCKOUTS:

In the event that a Resident gets locked out of their Unit/Bedroom, they can request support from the Front Desk to open their Unit/Bedroom. A piece of official ID will be required to confirm the Resident identity. The room entry is intended to be a support service and should not be an ongoing concern. Always care for your unit key(s).

Lockouts for misplaced or forgotten keys shall result in a $22.60 fine (HST Included) each time a Lockout is required. This charge must be paid immediately.

Lithium Battery Powered Devices

Due to fire safety concerns, the storage, charging, repair, modification, or operation of electric scooters, electric bicycles, hoverboards, electric skateboards, or similar lithium-ion battery powered devices is prohibited within the residence.

Mobility devices required as an accommodation will be reviewed through the accommodation process.

• Amps are permitted with the use of headphones.

These policies apply to all areas of Centennial Place, including, but not limited to, hallways, elevators, stairwells, laundry room, storage rooms, common areas, apartments, and townhouses.

Any odor can become noxious or offensive when it is too strong. Some examples are cigarette, cigar, or pipe smoke; incense; perfume; poor personal hygiene; air freshening spray; excess amounts of garbage; large amounts of dirty laundry and cannabis smell. Furthermore, because incense and candles present themselves as a fire hazard as well as a source of potentially noxious odor, it is prohibited at Centennial Place at all times.

Residents have a reasonable expectation of privacy within their living environment.

Residents and guests shall not photograph, audio record, video record, livestream, or distribute images, recordings, or personal information of another individual in a manner that is harassing, intimidating, invasive of privacy, or otherwise interferes with that individual's reasonable enjoyment of the community.

Harassment conducted through social media, messaging platforms, email, websites, online forums, or similar technologies is prohibited.

Violence and Harassment

Every individual has the right to an environment characterized by mutual respect. Every individual has the responsibility to treat all members of the Centennial Place community with respect and without harassment or discrimination. Inappropriate comments or behavior relating to a person’s race, religion, sexual orientation, age, sex, gender identity, nationality, ability, and all other prohibited grounds as outlined by Ontario Human Rights Code will not be tolerated.

Violence, acts of aggression, or threats will not be tolerated. Physical aggression is defined as violent or physically aggressive behavior. These behaviors of assault include but are not limited to hitting, punching, slapping, kicking, biting, pushing, pulling, fighting, spitting, bullying, or sexual in nature, etc.

Communicative violence is defined as any form of communication which is violent in nature which includes but is not limited to verbal, written, electronic (telephone, texting, computer, social media, videos, pictures, etc.). Harassment is defined as any attention or conduct, whether it be oral, written, graphic or physical or sexual in nature by an individual or group who knows or ought to reasonably know that such attention or conduct is unwelcome, unwanted, offensive or intimidating.

The residence may take appropriate action where conduct threatens the safety, security, wellbeing, or reasonable enjoyment of others, including the implementation of interim measures, restrictions on privileges, referrals to external authorities, or pursuit of remedies available under applicable legislation.

For any infraction that breaches the community standards, Centennial Place reserves the right to contact the Guarantor to notify them of a breach to the lease agreement and the steps that have been taken to rectify the situation. Personal Safety We would like you to be aware of some important guidelines for the safety of yourself and the property. We recommend that you consider following these guidelines, in addition to other commonsense safety practices:

While Inside Your Unit

1. Lock your doors at all times.

2. You have deadbolt locks on the doors; use them while you are inside your room.

3. When answering the door, first determine who is there by looking through the peephole. If the person is unknown, first talk with them without opening the door and don’t open the door if you have concerns.

4. If the person says they work for Centennial Place, please feel free to call the office to confirm it's an employee needing into your room. All staff will be identified by Centennial Place uniform and nametag.

5. Make sure to keep your windows locked when you are not in your room and at night.

6. Do not give or lend your keys, your ID, access card, or mailbox key to anyone.

7. Do not put markings on your key ring to identify your name, address, or phone number. This includes your apartment/room number.

8. If you are concerned because you have lost your key or because someone you distrust has a key, ask to have your locks changed. You have a statutory right to do so, provided you pay the cost of the lock change in advance.

9. Dial “911” for emergencies. Immediately following, please call the office or Front Desk at 416438-2216 so staff can take appropriate measures.

10. Frequently check your door locks to make sure they are working properly.

11. Immediately report to the office in writing or complete a work order any malfunction of other devices outside your room, such as broken gate locks, burned out lights, blocked passageways, broken railings, etc.

12. Mark or engrave identification on valuable personal possessions, such as your computer or bicycle.

Feeling “Unsafe” Vs. “Uncomfortable” Residents expressing fear for safety, or a self-described “unsafe” environment are deemed to be in a life-or-death situation. Residents feeling “unsafe” are treated with high priority and given access to resources, within the community, or partner institutions, or via 9-1-1 emergency. Residents experiencing roommate conflicts, personal struggles, or strife, or otherwise existing in an environment that does not pose an immediate and measurable risk to their life and/or livelihood are not considered to be “unsafe,” but rather “uncomfortable.” Discomfort can be—and is—a natural part of cohabitation in an environment where residents must interact with others of different backgrounds, experiences, personalities, preferences, and/or lifestyles. It is normal to have differences in opinion and/or belief; residents are recommended to participate in conflict resolution, roommate agreements, and mediation as appropriate.

Roommate Conflict You may experience conflicts within your suite at some point during your stay. While the Residence Life Department is here to support you in navigating these situations, we expect that when a conflict arises: 1. Upon arrival, you will complete a Roommate Agreement that will help you establish the basic cohabitational norms. While the roommate agreement is not an actual contract, it has been provided as a unique, communicative tool for residents to utilize to mitigate future feuds or conflicts with their roommates.

2. When experiencing discomfort in your unit, communicate the issue/unmet needs with the roommate(s) involved.

3. Should the conflict persist, raise your concern to your House Resident Assistant.

4. Participate in a conflict mediation meeting facilitated by the Resident Assistants. *Persisting roommate conflicts will be addressed by Management For a roommate mediation to be successful, both parties must be open to come up with solutions.

At no point will a room transfer be processed without completing all the steps in the conflict mediation process. Room transfers are subject to availability, and a $250.00 Transfer Fee to the resident seeking Transfer Out.

While Outside Your Unit

1. Lock your doors and windows every time you leave your apartment regardless how long you will be away.

2. Tell your roommate where you are going and when you will be back.

3. When walking at night, please walk with another person.

4. Let your RA and your roommate know if you are going to be gone for an extended period of time.

Around the Community 1. Room and apartment doors should be locked at all times. Residents should always keep their keys with them even when leaving for a short period of time and/or when your roommate is in the apartment and not expected to leave.

2. Valuables should be kept locked and out of sight.

3. Residents should practice being aware of their surroundings and being a good neighbour.

This can be done by knowing the other residents and reporting to management staff any suspicious person(s) seen around the property.

4. Please call 911 if your personal safety or the personal safety of another is at risk. If it is not an emergency, you can call the Toronto Police Department’s non-emergency number at 416808-2222.

5. Centennial Place does not allow soliciting (with the exception of confirmed political candidates). Please report those individuals to security.

Please remember there is no such thing as a completely safe system. Even the most elaborate of safety precautions are not guarantees against crime. You should always proceed as if such systems do not exist. All systems are subject to mechanical malfunctions, tampering, human error, and personnel absenteeism. Maintenance Q & A

Q: How do I put in a work order request for maintenance?

A: Work Orders can be filed through the Entrata Resident Portal App, the Front Desk, or submitted online at our website, www.centennial-place.ca by clicking the “Submit a Work Order” button.

Q: What should I do if there is smoke while cooking?

A: Turn on the microwave fan. Open the bathroom doors and turn on the bathroom fan. Keep the unit door closed.

Q: How do I use my thermostat?

A: As part of our Silver LEED certification, the majority of thermostats in the building are programmable. To program, select MORE and then SCHEDULE. From here, you can program your thermostat using days and times. You can always contact your RAs for help.

Basic settings: • Heating/Cooling: Press System until either Heat or Cool is selected, then press Done.

• Fan: Press Fan until Auto is selected, then press Done.

• Temperature: Use the Up/Down arrows to adjust to your desired temperature.

For best efficiency, please ensure all windows are fully closed when using the heating or air conditioning system.

Q: How long will it take for my work order to be resolved?

A: We strive to complete within one business day, yet at times we may require additional parts, supplies, or 3rd party repair personnel.

Q: How will I know if my work order has been completed?

A: Once the maintenance request has been completed and signed off, a report will be updated in your Entrata Resident Portal.

Q: If I have a maintenance emergency after hours, who do I call?

Q: Can I use regular dish soap in the dishwasher?

A: No. Please use dishwasher specific soap to avoid damage and flooding.

Q: What do I do about insects in the apartment?

Q: What do I do if my toilet is clogged?

A: We strongly recommend owning your own plunger, which can be purchased at most local stores.

If plunging the toilet doesn’t work, please submit a work order. Do not flush the toilet if it is clogged, as this may cause overflow or further damage.

This appeal shall result in the collaboration of the appealing resident’s Floor RA(s), Residence Council Representative and the General Manager to hear the appeal and determinate as to whether or not the sanction and/or fine will be adjusted. The decision made by the Appeal Hearing Committee shall be communicated to the appealing resident within three (3) business days of the Appeal Hearing Committee adjourning.

Points-Based Conduct System

Actions taken by a resident deemed appropriate for documentation or sanctions follow the Demerit Points Scale model below. Demerit Points are cumulative and resulting actions are executed based on a resident’s cumulative Demerit Points Total. These points will remain on the resident’s profile for their Lease duration and may impact any additional Lease Agreement document between the resident and Centennial Place. *Because of the potential severity of disciplinary and eviction decisions for Residents, processes exist on specific grounds only to have a disciplinary decision reconsidered, and an eviction decision appeal heard by a panel external to Residence.

This system has a three-level scale to assist the Management team with the conduct process for community standards. For each level, the following tables indicate the sanctions and measures that are likely to be applied.

Students may be given the opportunity to address cleanliness issues. Failure to make marked improvement may result in follow-up through a Level 2 violation.

Residents should not participate in potentially destructive activities that may cause injuries and/or property damage.

These include, but are not limited to the use of roller blades, skateboards, scooters or ‘cycles’ of any kind, water fights (water guns/balloons), sports, etc.

Repeat offense and follow-up to a Level 1 Sanction.

Failure to abide by the Fire Code limit as stipulated in the Guest Policy.

Hosting a guest while guest privileges have been revoked.

Guest conduct that includes any Level 2 offence (the host will be held responsible).

Any behavior, which is deemed by Centennial Place Management to be inappropriate, detrimental, or harmful towards a person(s), property, or building community overall.

Possession of any smoking paraphernalia that is larger than a hand-held pipe, joint, etc.

Bongs, water bongs and homemade bongs that contain a water source are not permitted.

Open flames of any size or scope are not permitted in Centennial Place. This includes, but is not limited to incense, candles (including birthday cake candles), sparklers, lit matches, lit lighters, lanterns, etc. *This list is not intended to be exhaustive

Pets in Residence

Use of excessive oil when cooking is also prohibited due to the fire hazard posed and risk of injury/damage to people or property.

Pets are not permitted at Centennial Place and residents are not permitted to bring into or keep any non-human life forms not limited to plants and/or animals.

• Exceptions may be given to those who qualify for and have received approval for the Animal Accommodation Policy.

• Centennial Place reserves the right to remove the animal from the Residence should this procedure not be followed, nor qualifications be met for any exception to this policy.

Prohibited Appliances

The use of electric, gas or oil heaters is not allowed.

Water-based appliances such as personal laundry machines or dishwashers are prohibited.

Other laundry machines such as personal dryers are also prohibited.

For additional items prohibited in Residence, please refer to the Restricted & Prohibited Items section of the Residence Community Handbook.

Relocation of Centennial Place Furniture Progression of and/or Repeat Offences

Coffee makers and/or kettles with an automatic shutoff are permitted.

Removing or relocating furniture from lounges, Residence units, communal kitchens and all other areas of Centennial Place is prohibited.

Responsible for three or more Level 1 violations.

A single incident involving multiple Level 1 violations may also be treated as a Level 2 offence.

Repeat offences of Level 1 violations may result in a Level 2 offence.

Category 3 or Level 3 Incidents at this level are serious breaches of the community standards which are not expressly described under Level 1 or Level 2 are behaviors that constitute a cumulative series of breaches at any Level and/or actions that endanger the safety and security of oneself or others in the community; actions that result in damage to the Residence property. Any and all items deemed inappropriate will be confiscated and/or disposed of and the appropriate authorities will be contacted.

Residents must abide by all Federal, Provincial and College laws and policies surrounding the use of alcohol. No Resident who is under the age of nineteen (19) shall consume, possess, or be under the influence of alcohol or marijuana while on Residence premises. No Resident may purchase, supply, or provide alcohol or marijuana to any person under the age of nineteen (19).

Supply or Provision of Alcohol or Drugs to a Minor Use and/or Possession of Illegal Drugs

Further to the Centennial College Smoke-Free Policy and the Use of Cannabis Policy as found in the College Policy.

No Resident may purchase, supply, or provide alcohol or drugs of any kind to any person living in the building—especially to residents below the age of nineteen (19). Residents must otherwise follow Federal, Provincial, Municipal, and Centennial College and/or Centennial Place policies on alcohol on-campus and in Residence.

Residents are prohibited from being involved with possessing, using and/or consuming any illegal drugs or narcotics anywhere in, or around Residence property. Any Resident found with possession of illegal drugs will face serious consequences.

Smoking

Smoking inside Centennial Place is strictly prohibited as Centennial College maintains and enforces a Smoke-Free Campus Policy. This includes, but is not limited to cigarettes, e-cigarettes, vapes, marijuana/cannabis, and/or hookahs, among other forms of smoking.

Failure to leave any Residence facility during Emergency Evacuation (including, but not limited to Fire Alarms and/or Drills), or not following Lockdown directives.

Explosives or flammable accelerants are not permitted in Centennial Place Residence. This may include, but is not limited to firecrackers, dynamite, propane or helium tanks, camp stove fuel, naphtha, gasoline, diesel, etc.

Any items of this nature found during Inspection or entry to a Unit will be removed immediately by the relevant authorities without further Notice.

Residents are not to tamper with Fire Doors, nor use designated Emergency Exits at any time other than during an emergency. This includes the propping of Suite Doors, or Stairwell Emergency Exits.

Use of Emergency Exits is a serious offense and should be fined accordingly.

Repeat offense and follow-up to a Level 2 Sanction.

Guest conduct that includes any Level 3 offence (the host will be held responsible).

Every Resident has the responsibility to treat all members of the Centennial Place community with respect and without harassment.

Harassment

Harassment is defined as any attention or conduct—oral, written, graphic or physical—by an individual or group who knows, or ought reasonably to know that such attention or conduct is unwelcome, unwanted, offensive, or intimidating, and has been addressed by the complainant with the offending party and requested to stop or cease such activity.

Campus Security and our Local authorities will be involved in this process.

Residents are not permitted to remove items from the Grab N’ Go Market without first paying for the item at the Check-Out Station. These premises are monitored 24/7 by CCTV and violators of this policy may face legal consequences from local authorities, in addition to Residence Fines and Sanctions.

Theft (Including Grab N’ Go Market)

Trafficking and/or Cultivating Illegal Substances

Throwing Material Unauthorized Room Access or Entry

Residents believing themselves to be victims of theft should contact Toronto Police to file a report. Residence does not handle personal theft, nor can it be held liable.

Residents are prohibited from any involvement with trafficking and/or cultivating any illegal substances anywhere in or around their residence.

Any Resident found to be trafficking or cultivating illegal substances will be reported to the local authorities immediately and be found in Default of their Residence Agreement.

The throwing or expulsion of material from/at Residence room windows or property is strictly prohibited.

Entering another individual’s Suite or Bedroom or disturbing another Resident's space without express permission of the Resident is prohibited.

Vandalism to Residence Property Violence and/or Threats of Violence

Residents must have written permission to enter another's room if the resident is not present.

Unauthorized entry for any reason—including pranks/raids—is strictly prohibited.

Vandalism is defined as the intentional destruction of Centennial Place and/or Centennial College property. Tampering with CCTV Cameras is strictly prohibited.

Violence or aggression, or threats thereof will not be tolerated. Physical aggression is defined as violent or physically aggressive or intimidating behavior.

Communicative violence is defined as any form of communication deemed to be harmful or violent in nature or intent, which includes, but is not limited to verbal, written, electronic (i.e., phone, text, e-mail, social media, videos, pictures, etc.).

Weapons

Progression of and/or Repeat Offences

Behaviors defined as “assault” include, but are not limited to hitting, punching, slapping, kicking, pushing, pulling, fighting, bullying, or sexual violence, etc.

Firearms and any other weapon or item that is created/intended to cause harm, or could be seen as intimidating, are strictly prohibited. Examples include but are not limited to restricted weapons, knives with blades longer than six inches (kitchen knives excepted), paint ball guns, bb guns (including soft air), sling shots, bows/arrows, machetes, axes, hatchets, ceremonial or decorative swords, toy weapons (nerf guns, water guns, plastic bows/arrows) etc.

Responsible for three or more Level 2 violations.

A single incident involving multiple Level 2 violations may also be treated as a Level 3 offence.

Repeat offences of Level 2 violations may result in a Level 3 offence.

** Invoices billed to the property as a result of direct violation of any Policy outlined in this handbook will be charged to the resident.

Appeal of Residence Conduct Decisions In the event a resident has received disciplinary sanctions as a result of a conduct meeting with the Residence Life Coordinator(s), the resident may choose to appeal a decision or outcome to the General Manager, and the Residence Council Executive, with the potential to have the ruling overturned or voided.

Residents shall have five (5) business days after receipt of the written decision to submit a formal written appeal of a discipline meeting to the General Manager. Students may only appeal on the following grounds: • • •

A procedural error that materially affected the outcome of the conduct process.

New information that was not reasonably available during the original review.

The outcome or sanction is significantly disproportionate to the violation.

The General Manager shall determine whether the appeal meets the established grounds for review.

If the appeal is accepted, the resident may be invited to attend an appeal meeting to present the new information or explain the basis of the appeal. The General Manager will review all relevant information before making a final determination.

Residents are permitted to bring one (1) support person (parent, guarantor, friend, etc.) to an appeal meeting and, where appropriate, may also be accompanied by Centennial College support resources (e.g., a Counselling Services representative, Centre for Accessible Learning representative, International Student Services representative, translator, or other approved support person).

All appeal decisions communicated to the resident following the review shall be final.

Nothing in this Community Standards process limits the rights, responsibilities, or obligations of residents or Residence Management under the Residence Agreement or applicable law.
