Birnam Buzz - August 2020

Page 1

PRESIDENT’S LETTER By Tim Armour, President

The arrival of August means that we are in our 6th month of adapting to the Covid-19 virus. The course of the Pandemic has been difficult to forecast. We had hoped we would be enjoying a back to normal environment at Birnam Wood by now, but it was not to be. We have had to adapt to the changing state and local mandates and do our best to keep Covid-19 from our door. So far so good! We have had a few close calls with individuals who needed to be tested but luckily all have received negative test results. The good news is that we have remained Covid-free to date. The experience of near-by Los Angeles is a reminder that the spread of Covid-19 is continuing and that we must remain vigilant. So, our bet is that the future will be characterized by a focus on social distancing, mask-wearing, outdoor activities, and dining. With less than 1% of Santa Barbara infected and no available vaccine, we will likely be forced to “muddle-through” this crazy period until an inoculation is available. How to best adapt our policies, so that members and staff stay safe, but club activities remain open has been a judgment call. Today, we are back to not allowing guests. That is not ideal and inhibits our members from bringing their friends. But until the State lessens indoor dining and activity restrictions, we will continue down this conservative path. It will not be forever, but it will be our policy for now. In the face of this less than ideal environment, we are still achieving well above normal new membership interest. We continue to be a welcome oasis and diversion from the social isolation of Covid-19. Our golf, tennis, bocce and croquet venues are attractions as are our generous outdoor dining and extensive food and grocery To-Go program. In July we received 21 new applications for membership, a record for the club. Covid-19 is a factor, as is the extended closing of the Montecito Club. This strength in demand for membership has caused us to restore our previous plans to increase initiation fees this Fall for all membership classes (except Corporate which was increased in 2019) for the first time in more than 6 years. We will pre-announce the price increase, which may further accelerate applications ahead of the price increase. Finally, I will make an appeal to all our members. This environment is inconvenient and less than ideal. Wearing a mask is cumbersome and an intrusion. But, it is what we all need to do to protect each other and our dedicated staff. Although not allowing guests seems antithetical to the friendly and open culture of Birnam Wood, this will not be forever, but it is our policy for now. So, bear with us and continue to protect our members and staff with these precautions. Thanks for your support. Tim Armour 2

FROM THE GENERAL MANAGER By Jordan Sweeney, CSW, General Manager

August is usually the month when we host our Fiesta and Texas BBQ, our extravagant Summer party, Bocce on the fairway, and many other fun events. This year has been a challenge, especially for someone who loves to throw a fun party! Please know we are working on ways to keep our Club alive and fresh and, of course, safe. Keep an eye out for a wine dinner on the patio in August. I am working with the food and beverage team to figure out the logistics. We will host the dinner on the patio and there will be very limited seating. Chef is also making some changes to the menu. He and his team are looking into switching the menu every month to keep them fresh and enjoyable. We have made a few changes in our staffing: Kristy Evans has been promoted to Membership Director. Please e-mail her at kevans@bwgc.net for any membership inquires or questions! We have also hired a Bar and Service supervisor, Emily Johnston-Collins. Emily is a level 3 – advanced sommelier and will enrich our already amazing wine and dine program. Mrs. Nourse and her cottage committee have been working extremely hard on re-structuring our cottage program. We have added new seasonal rates as well as a beautiful brochure, which you can see pieces of in this month’s Buzz issue. If you have any questions regarding the cottages, please reach out to Cathy at the front desk! I know I may sound like a broken record because I say this a lot, but I am extremely proud of our team and what we have been able to accomplish during this pandemic. And, I am humbled by your support. Please, feel free to shoot me an email if you have any concerns or ideas about how we can enhance your experience during this season at Birnam Wood. See you around the Club! Jordan Sweeney, General Manager, COO

GOLF NEWS

By Michael Goodcase, Head Golf Professional I cannot express enough how much of an honor and pleasure it was to host Gary Player at Birnam Wood for three rounds of golf early in July. All of the rumors I had heard about his demeanor and character were so true. Each time that visited our facility, he took time to say hello to everyone that was here at that time. He took time with staff members talking about the swing with our professionals. He spent time with members at the range and putting green offering tips to anyone who was looking for help. Each round he played with three different members, making each round so special. I had the privilege to watch him play for about 7 holes one afternoon. At the 12th hole, a threesome of junior golfers came up on the group. Mr. Player did not hesitate one second to offer them a chance to play through. He watched and commented as the three juniors proceeded to make two pars and a birdie on the par 3, 12th. It took about an extra five minutes for the youngsters to be well on their way, and, gave him a chance to tell a couple more stories. He was such a gentleman and truly thought of others every time he was a guest at Birnam Wood. Our rounds slightly decreased in the month of June. However, they are still well above average for us (1922 rounds). We have continued with our single rider golf carts for the safety of all the players. Our guest policy allows a member to bring three guests anytime there is open play (Monday – Friday), and after 12:00pm

(Saturday and Sunday). Family guests are still welcome anytime we have open play. With the increase in rounds, combined with our single rider policy, it is more important than ever to adhere to our golf cart policies. The golf cart traffic on the golf course has doubled. Days where 20 carts used to go out to the course. This has doubled to 40 golf carts since players must ride alone, unless living in the same household. So, in our effort to maintain the optimum playing conditions, the Golf and Greens Committees ask that you remember to keep carts behind the broken green painted line around our green complexes. If a cart path is available, please use it. It is also important to avoid edges of the bunkers, sides of tees, and hills. High traffic areas become very compact, promote tight turf conditions, and make for more difficult growing conditions. While on the topic of course care, I want to encourage a few more things with regards to course care. Ball marks have been an increasing issue as our rounds have increased dramatically. Again, to improve the putting greens for everyone playing golf, please be sure to repair all of your ball marks. It is a nice habit to fill your ball mark and one more. If everyone did that, there would be no issues with old ball marks affecting the putting surfaces. Finally, it is necessary to fill divots in the fairways with sand, if available. If you do not have sand, please try and kick in the divot to improve the amount of time necessary for the grass to fill in. Everyone playing our beautiful golf course will thank you.

DO YOU KNOW YOUR CARRY AND ROLL DISTANCES? By Scott Maier, PGA, Birnam Wood Teaching Professional Golf courses require players to execute a variety of shots using a variety of clubs during a round of golf. Birnam Wood is no different with it’s rolling hills, undulations, and green complexes. Some of our greens allow a player to roll or bounce their approach shots onto the green. Some greens are guarded with barrancas, bunkers, and penalty areas forcing players to lay up. Because of these forced lay ups it is critical for players to know their carry and roll distances with each club and understand the difference in those distances for when the ball hits the green or the fairway. Let’s look at two examples of why it would be helpful to know your carry and roll distances. Example #1 ~ Let’s say on hole #1 your ball comes to rest in the fairway 90 yards from the green, but there’s a barranca between you and the green. And let’s say you have a 90-yard club, but that 90-yard club only carries 60 yards in the air. Because the carry distance required to clear the barranca for this shot is 65 yards your 90-yard club, which would be ok with total distance will land your ball in the barranca. 4

August 2020

Example #2 ~ What if you are the same 90 yards away from the green in the fairway on hole #11? Since there’s no forced carry, you can play this shot with your 90-yard club. The ball will land on the fairway at 60 yards and roll onto the green unharmed. We can see from the two examples above not all 90-yard shots are the same. If the player in example #1 doesn’t know his/her carry and roll distances he/she will select the wrong club and hit their shot into the barranca. If you need help, schedule a lesson, and with the assistance of our launch monitor we can measure your carry and roll distances for all your clubs. This will help improve your club selection and lower your scores.

NEWS FROM THE COTTAGE COMMITTEE

Over the past two months, the Cottage Committee has revisited two issues that have been long on our wish list for review: The use of variable pricing to improve occupancy rate, as well as the introduction of a fair cancellation policy. To address these matters, the Committee enlisted the support of the Finance Committee and of Birnam Wood senior staff members. With their help, monthly cottage revenues were analyzed over a six-year period, 2014-2019. The analysis showed a clear pattern of seasonal variations in occupancy as well as differences between weekday and weekend occupancy rates. In the hospitality industry these issues are normally managed by varying pricing by season and day of the week. VARIABLE PRICING Based on the historical analysis, four seasonal price levels have been established: Low, Mid, High and Peak. In a full year calendar, each day of the year was identified by its season and by whether it was a weekday or weekend, then priced accordingly. Significantly, seasons were not equal in size. For example, the Low season amounted to 46% of all calendar days and their pricing represents tremendous value for members with flexibility in their schedules. At the other extreme, High and Peak rental rates represent slight increases over Mid-level pricing. COMPARABLE PRICING The Committee recommended a general price increase of 7%, which is below the inflation rate for the period of almost four years since our last price increase on November 1, 2016. A study of comparable pricing of accommodation in the Santa Barbara area established clearly that Birnam cottages are priced well below market. WEEKLY AND MONTHLY RENTALS The current discount of 12.5% for bookings of a week or more, up to 27 days, will be continued. For bookings of a month or more, discounts will be approximately 35%. MEMBER DISCOUNT The current policy granting a 10% discount for rentals in which the occupant is a member or extended family member will be discontinued. In practice, however, more than 90% of past rentals claimed the discount. The new pricing factors in a discount of approximately 10% on all rentals compared to the rate that would otherwise need to be charged. CANCELLATION POLICY Cancellations are extremely costly to the Club since, with a limited market of 700 members, they frequently occur too late to find a replacement. The current policy for long term rentals (one month or more), as stated in Rule 8 in the Member Directory, calls for a cancellation charge of one month’s rent when cancelled within 90 days of the arrival date. The new policy will in most cases result in lower cancellation charges on long term rentals and is considered fair both to members and the Club. Short term rentals will continue to pay a one-night charge for cancellations received within 48 hours of arrival date. COTTAGE ASSIGNMENTS For rentals of one month or more, members can specify the cottage desired. For shorter rentals, however, assignments of specific cottages cannot be guaranteed. Of course, the reservations department will use their best efforts to extend the best possible service to our members. THE NEW RULES WILL TAKE EFFECT SEPTEMBER 7, 2020 AND WILL APPLY TO ALL RESERVATIONS MADE AFTER THAT DATE.

FROM THE CLUBHOUSE MANAGER

By Brendan Glesmann, Clubhouse Manager

Just when you thought it was safe to go back in the water! I wish our current situation were easy to make light of, but we are all aware that it is not. I am happy to report that the Clubhouse Staff remains healthy and is observing the strict Clubhouse guidelines. We are all working extremely hard to ensure their safety, and yours. To my knowledge Birnam Wood Members also appear to be muddling through unscathed - which is very good news. In our effort to adhere to the State and County mandate, the Club will remain open for ‘outside dining’ only. We, of course, will continue our popular Take-Out Meal Program and the Grocery Service and we have modified our golf, fitness, and tennis programs to comply with State requirements. We hope you continue to stay well, and we appreciate your gracious spirit as we work our way through this challenging season.

FITNESS NEWS

By Joy DuMay & Liz Parrish, Co-Directors 5 STRESS MANAGEMENT TECHNIQUES 1. Take a 10-minute walk or “Fitness Break”. You knew this was going to be #1, right? By moving in some way each day, you will reduce cortisol (the hormone that causes stress) in your body. 2. Practice mindful breathing. Try inhaling for a count of 4, holding it for 7, and exhaling for 8. Let your belly expand when you inhale and contract inward when you exhale. Relax your shoulders and face. Repeat for a total of 10 repetitions. 3. Write a journal of gratitude. Spend 10 minutes each day writing down what and who you are thankful for. You may surprise yourself with all the blessings you have in your life. 4. Watch a funny or positive movie or tv show. Sometimes you just need to distract yourself! “Fried Green Tomatoes” anyone? 5. Be proactive. With the 24/7 news cycle, you have access to stress-inducing information whenever you want. Instead of being glued to it, take charge. Allow yourself to check stories or social media for just five minutes at the top of every hour and then Put Away the Phone. Do one of the above four activities. Throw a load of laundry in. Pet the cat. Arrange your shoes. Do something active and achievable. 6. Smile. Ok this is a bonus. Share a smile with your neighbor (under your mask). Give your dog one (he’ll appreciate it). Look in the mirror and give yourself a toothy one (you deserve it!). Hang in there! We are all in this together and together we will get through.
