BOARD OF DIRECTORS WORKSHOP MINUTES OF TUESDAY, MAY 3, 2022 Call to Order: Tuesday, May 3, 2022, at 9:02 a.m. Out of respect, please silence all cell phones & remove hats, moment of Silence & Pledge of Allegiance Proof of Notice: The agenda was posted at the Administration office and Clubhouse, and on the Brookridge website, April 29, 2022. - PROOF OF NOTICE ESTABLISHED. Proof of Quorum : President Anna Webster, 1st Vice President Ken Duncan, 2nd Vice President Jerry Foster, Secretary Gail Metcalf, Treasurer Leo Benoit, and Director Rosemary Basteri were present. PROOF OF QUORUM ESTABLISHED. Also Present : General Manager Carol Webster, Code Enforcement Captain Greg Schubert, Recording Secretary Arlene Ahrens, Facilities Manager Vincent Pizzo. 25 members names on sign in sheet. Taping Notice : Member video/audio taping meeting: zero Approval of Minutes: Board of Directors Workshop of April 5, 2022 – minutes stand as submitted. Correspondence: None President's Report: A. Webster – the board has been together six weeks. They want to be a board that is sensible and fair. They are replacing the software program Access, the front gates and having Brookridge Boulevard paved. Thank you to the Beautification committee for all of the hard work they have been doing. General Manager Report: The year end audit report is finished; we should have it back by next week. The Reserve study is also being worked on. We are working with attorney Mezer to have the amendments written out in an easily readable format. Our bookkeeper Lynn Price has taken a position elsewhere, we wish her luck in the future. Unfinished Business: President Anna Webster read: "at the last Board meeting, Lyle Steckelberg was appointed to fill the vacant seat on the board. Lyle was sworn in, but we neglected to have a Board vote. I would like to do that at this time. Motion by A. Webster, seconded by Metcalf to appoint Lyle Steckelberg to fill the vacancy on the Board of directors for a one-year term. Vote taken, all in favor (6-0). Lyle Steckelberg then took a seat at the table with the rest of the board. Update to ACC guidelines – Motion by Duncan, seconded by Metcalf to approve changes to ACC guidelines, Article 3, Section 3.13. Brief discussion followed. Vote taken, all in favor (7-0). Replacement of front gates and system – Motion by A. Webster, seconded by Duncan to approve proposal from Coastal Integration: Lift master for $25,444. Lengthy discussion followed. Vote taken, all in favor (7-0). New Business: Reassignment of Director's positions – Motion by A. Webster, seconded by Metcalf to remove Leo Benoit as Treasurer. Discussion followed. Vote taken 5 for, 2 abstained (Benoit, Foster), motion carried. Motion by A. Webster, seconded by Duncan to appoint Rosemary Basteri as Treasurer. Vote taken (6-1- Benoit). Appointment of new member to ACC – Motion by Duncan, seconded by Metcalf to appoint Tracay McUmber to ACC. Vote taken, all in favor. (7-0). Tracay McUmber sworn in by President Webster. Update to S.O.P. 8.1- assessment collection – Motion by A. Webster, seconded by Duncan to update S.O.P. 8.1, Section 3.2 for clarity. Brief discussion followed. Vote taken, all in favor. (7-0). Report of Directors: Duncan – welcomed Tracay McUmber to ACC. The ACC has also received more applications to serve on the committee. The committee is working to further clarify the guidelines. Basteri – thank you to the Beautification Committee, they have been working extremely hard to make Brookridge look beautiful. Memorial Day ceremony is on track, it will be Monday, May 30th. The Memorial Day/Veterans Day Committee is accepting donations to cover the lunch that will be served on May 30th. Volunteers are needed on May 29th to help decorate the hall, as well as on May 30th to help serve the food. Rosemary Basteri also needs to put together a Finance Committee for 2023 budget. If interested submit a resume to the Administration office by June 3rd. She needs at least 5 members. Metcalf – Unit Reps meet on May 10. They also have 2 resumes to fill their open spot. Unit Reps work hard within the community. Rules and Regulations committee will start meeting within the next two weeks. Steckelberg – he will have a report by next meeting. BOARD OF DIRECTORS WORKSHOP MINUTES OF TUESDAY, MAY 3, 2022 MINUTES Continued From Page 8 Member Comments: Lucille DeGuire – Unit 4 – regarding speeding, not all Country Club drive is 20 miles per hour. She also wants to know why Code Enforcement needed to purchase another truck instead of a car. President Webster provided a response to Lucille's questions. Dave Fagan – Unit 1 and Vice President of the Men's Club. In May the Men's club donated $250 each to the Ladies of Brookridge, the Beautiﬁcation Committee and to Memorial Day Ceremony. The horse race derby was an enormous success. They are looking to do more projects in the future. Rich Stratton – Unit 3 – the Men's Club have 5 upcoming horse race derbies. They are also working on Friday breakfast, a concert in the park and car shows. Dates to be announced. Gerri Craft – Unit 1 (via YouTube) – will the pool be closed for maintenance? Vince Pizzo – Facilities Manager replied yes, there is maintenance and cleaning to be done. The pool will most likely be closed for a week the third week of May and a week in June. Rich Stratton – Unit 3 – when the car show is held the road in front of the clubhouse will be closed for safety reasons. Jerry Foster – at the previous meeting, there was a list of 64 UBL's whose accounts were past due, how many of those were paid? He was told that is a question for the bookkeeper. Leo Benoit – would like the violation report to show more history of violations by UBL. Thomas Bates – Unit 2 – he has been in Brookridge less than a year. He received 2 speeding violations for people visiting him, he feels that is extremely unfair, he is terribly upset. He wants a resolution. Tracay McUmber – Unit 2 – we should remind vendors who are coming to our house not to speed. Rich Stratton – Unit 3 – the Fire Department is an exception to the speeding rule. I hope you all are enjoying your summer. We have been having some unusually hot weather this year. The BCPO Board has been busy with the ongoing duties associated with this board. Our June Wednesday meeting was rescheduled to the last Wednesday (June 29) due to the Administration office closing. We did not have a Workshop in July. The replacement of the outbound exit gates is scheduled to start mid-August. The board just voted on a new software/computer system. Access (the system used here for several years) no longer has the capability to enter any more of our data. After much research into other companies, it was decided the only company that can provide all the requirements needed at Brookridge is Quickbase. To replace Access and update our system the total cost is $25,395.00. This includes Software & license. These funds will be taken from the Administration portion of the Reserves. Please note, that software/computer is in the Admin reserve and this Reserve was approved with the 2022 budget. We, the residents, need to understand that Brookridge is a multimillion-dollar enterprise. We are not a “mom & pop” store. Therefore, we need to move into the 21st century and have our systems up to date to protect residents and ﬁnances. The Finance Committee is meeting to prepare a budget for 2023.This budget will be presented to the BCPO board at the Sept. 6th Workshop. The BCPO is planning a Fall Festival, November 19th. The Golf association will have a “Scramble.” Please set that date aside and come out to meet and greet your neighbors. We will have more information later. Enjoy the rest of your summer. I would like to take an opportunity to pass along some crime prevention tips everyone should be mindful of:

BROOKRIDGE BROOKRIDGE CERT There will be no scheduled meeting for August of 2022. Many CERT members will be away for the summer. We will be considered on standby throughout these summer months in case there is a need to recall members to support emergency needs that might arise. Be aware that June 1st was the start of Hurricane season which lasts through November 30th. Congratulations to new CERT members who successfully completed the new training class which began June 2 and completed July 14. This was the ﬁrst class to be held since the pandemic. Come join our Brookridge CERT group. Training is free to volunteers. Training will be made available to any who are able to serve with us. Contact us to arrange for training classes. STAMPS FOR THE WOUNDED Stamps for the Wounded (SFTW) is an organization dedicated to providing comfort and stimulating activities for U.S. Veterans that are wounded, ill or isolated. SFTW has been helping U.S. Veterans since 1943. To serve our veterans, we rely on donations of postage stamps, U.S. Postage stamps, and cash donations. If you would like to participate in this project—save the stamps from mail that you receive (Just cut the stamp off the envelope), buy stamps or donate cash. BROOKRIDGE COLLECTIONS If you would like to help, please collect stamps from your mail, bring them to the Clubhouse where there is a container on a cart in the South Hall. These stamps are collected by Mrs. Peggy Christie. Each year they are sent in during the month January. This year Peggy mailed a 6 lb. 2oz. box from the residents of Brookridge. The committee did not have a meeting in July, but the work has continued. We hope you have noticed the improvements on Brookridge Central, the Boulevard, and Midmoor. A big thank you to Bob Sampson for all the work he has done on Midmoor. Check it out... it looks great! It sure has been hot out there, but the committee members have been getting out early in the morning for planting and mulching. Those weeds never stop, so we invite anyone who might walk by to feel free to pull a weed or ten. Every little bit helps. As of the writing of this article (end of June), we have spent well over $1500 on mulch, plants, weed killer, fertilizer, etc. It is expensive to keep everything looking beautiful. We depend on donations from folks like you. Thanks to everyone who has donated thus far! We always welcome new volunteers, especially those who have a love for gardening, knowledge of Florida plants and landscaping, or those who would just like something more to do. Kings & Queens are a group of couples that play 9 holes of golf Monday afternoons - alternate shot format for the twosome. If you don't have a male/female partner, you may play as two ladies or two gents. If you haven't played yet, it might be a great way to meet your fellow golfers. This is a fun group. CERAMICS BY Sue Taylor The ceramic class in Brookridge is open to all residents and neighbors. We have men and woman joining and they are very good for beginners. The beginners are doing some great pieces. I really don't call them beginner's after they finish their first piece. Everyone enjoys what they are doing, and we all have a great time. Classes are Fridays & Saturdays from 9:00 am – 2:00 pm you can come & go any time within those hours. There is a fee to join, but that includes all paints, brushes, glazes, sealers, coffee, water, snacks. We now are starting to do painting that has to be fired. She not only serves as our President but runs the kitchen as well. She is a Lady who often must wear many hats. So, a big thank you to all of you. Our next Bingo meeting will be September 12th at which time a nominating committee will be selected to bring a slate of officers to the Board. We will be looking for a President as President Colosanti is stepping down. So be sure to attend. If anyone knows of anyone who would like to serve on the board, please come forward. Helping Hands by Dee Raﬀenberger

Helping Hands is a sewing group making items for various charities. We sew for Project Linus Quilts that go hospitals, shelters and social service agencies to beneﬁt sick or traumatized children. There is a working meeting each Thursday morning from 9 am to 11 am in Room D. New members are always welcome and sewing skills are not required. Donations are accepted of fabrics especially children's prints in cotton or broadcloth and ﬂannel, or monetary contributions. Yarns are also needed for baby blankets, mittens and hats; soft yarns for chemo hats; and Project Linus also takes crocheted or knitted blankets. If you would like to crochet or knit at home or sew to help with our projects stop by a meeting day for information.

If you exercise outside whether walking, biking or swimming be sure to wear sunscreen and be sure to hydrate. It's hot outside. We have the option of exercising inside in the air conditioning. Our class is for Brookridge residents and their houseguests (Sorry, no children). The cost is ﬁfty cents per class and the ﬁrst class is free! Class starts at 8:30 am and runs to 9:30 am on Mondays, Wednesdays and Fridays. Classes start with low impact aerobics followed by stretch and tone; weights; and either mats or chairs. The class ends with a balance circle. Weights and mats are available if you don't have your own. Come have fun with us!
