Boulder Chamber Mentoring, Events and Member Outreach Ambassador Roles & Guidelines 2022 OVERVIEW

Ambassadors are some of our biggest fans and a great example of how to utilize a Boulder Chamber membership. New in 2022: We are removing BYP and adding a new level of connection, Mentors.

We have four committees. Events, Member Outreach, Business Women’s Leadership Group Chairs and Mentors. This application is only for Events, Member Outreach and Mentors roles.

Ambassadors provide outreach to new and prospective members, welcome them into the community, assist in their navigation of Boulder Chamber services and support the Boulder Chamber member engagement plan.

Ambassadors also play a key member support role at our monthly events as an arm of the Boulder Chamber team. Finally, Ambassadors have a desire to help new and perspective members to grow their businesses. This group becomes a connected peer group within the Boulder Chamber and are key volunteers to the organization.

QUALIFICATIONS    



Must be an active Boulder Chamber member for at least 6 months AND must have attended multiple events and/or programs (in person or virtual) Willingness to refer new members Ability to assist in member retention Minimum commitment of one year- January through December (June Review of Ambassadors) o ALL Ambassadors: Quarterly Check-in meetings o Mentors: 8+ hours monthly (TBD based on demand)  Must have been a successful Ambassador for minimum of 6 months o Events: 2-4 hours monthly o Calls: 1-2 hours based on demand Comfort navigating virtual events, meeting new people and helping where needed

ROLES The committees are led by an Ambassador Chair. Ambassadors can serve on the following teams: 1. Events Team- Volunteer at Boulder Chamber Events & Programs – includes set-up, break,-down and everything in between

2. Member Outreach Team- Welcome new members with welcome calls to new members assigned by Member Relations team. Create notes and notify member relations specialist if there is an area of concern or opportunity to help further 3. Mentor: Call assigned mentee and act as a navigator of how to leverage their membership. Ex: attend events to meet your assigned mentee, coffee, zoom , navigating the portal, etc. Sincerely acting as a support to this person in their quest to optimize their membership.

COMMITTEE CHAIR RESPONSIBILITIES Chairs take turns speaking on behalf of Ambassador team at all (6) Member Orientations throughout the year.

Events Chair + Vice Chair  Work with Events Manager to help Ambassadors sign up for volunteer shifts and assure spots are available for volunteers, when possible  Alert Ambassadors when new events are added and when there are upcoming shifts that need to be filled through a GoogleDoc  Help to maintain accountability among Ambassadors for their commitments  Help facilitate annual training to ensure event volunteers understand roles and responsibilities involved with standard event positions (greeting, registration, Member Services table, clean up, etc.)  Serve as on-site trainer at events, if needed (on-hold for the duration of virtual events)  Available to support volunteer shifts and find help covering when emergencies arise Member Outreach Chair + Vice Chair  Work with Member Relations Team to facilitate assignment of new members to Ambassadors  Train Ambassadors to make outreach/follow-up phone calls  Alert Ambassadors when new assignments have been made through a GoogleDoc  Follow-up monthly to ensure assignments have been completed and any questions or issues have been addressed by Member Relations Team  Annual training with Member Relations Team to train Ambassadors on the outreach committee with current scripts, policies, and membership benefits Ambassador Engagement Chair + Mentor Chair  Set an enthusiastic example of what it means to be an engaged Chamber Member and be a resource to all Ambassadors. Must be approachable, get to know new Ambassadors, and welcome them to the team  Assist the Events Manager and Member Relations Team with recognition of Ambassadors (for service, stewardship, and positive contributions, etc.)  Help Chamber Events Manager coordinate an annual appreciation/social event for Ambassadors  Manage Ribbon Cutting ambassador crew and volunteers, including dedicated time and responsibilities for Ambassadors  Help for organize monthly Drink of Choice meetings for Ambassadors (virtual until further notice)  Attend and engage Ambassadors at Virtual Coffee with John and Beer with John



Assign mentors as necessary

ROLE OF COMMITTEES Events Committee  Support Boulder Chamber staff with inviting members personally to virtual events, registration, greeting incoming guests, networking at end of virtual event and event follow-up to attendees.  Help create an inviting atmosphere for attendees  Facilitate introductions between any/all attendees  Introduce yourself at events using your name, business title, and your role as an Ambassador. (Ex: “Hi I’m (your name & title) and I serve as an ambassador for the Boulder Chamber” or similar language.)  Attend Member Orientation at least once per year Member Outreach Committee  Connect with new members each month (assigned by the Member Relations Team), acting as their guide to the Boulder Chamber community—help them navigate services, meet other members and take advantage of their benefits  Initial contact will be by phone. Invite them to join you at Chamber events you will be attending and be sure to follow-up after the event for possible introductions.  Continue the relationship with the new member to see what events they are attending, how those are going and how you can help them with any connections to other Chamber members  Stay current with Chamber programs and events and benefits so you can answer general questions about the Member Advantage Program, Social Media and Member Information Center  Attend at least 6 of the monthly Ambassador meetings to discuss your member interactions, volunteer opportunities, and offer feedback for Ambassador “Member Relations” Chair  Attend Member Orientation at least once per year  Attend annual Outreach Training with Member Relations Team Mentor Committee (in addition to event and member outreach committee)  Establishing relationship with mentee to help them navigate the Boulder Chamber of Commerce  Follow-up with mentee to ensure their attending events, optimizing resources  Sharing/guiding connections
