COVID-19 WORKING PROCEDURES We are manufacturing equipment and products used by the NHS and other essential services during the COVID-19 crisis and therefore it is our intention to maintain a fully functioning factory.

These are new temporary working procedures put in place to minimise any risk to our employees, suppliers, customers, visitors and the general public.

Please adhere strictly to these guidelines.

COVID-19 WORKING PROCEDURES 1. GENERAL: • Maintain a distance of at least 2m from all others at all times wherever possible.

• Avoid touching any equipment or furniture that you don’t have to touch.

• No hand shaking or body contact.

• All staff should wash their hands regularly during the working day using soap and water and washing for a minimum of 20 seconds. Staff should also sanitise their hands regularly using the Sanitiser Stations positioned around the premises.

• Observe all hand washing signs and COVID-19 safety notices and procedures placed around the factory.

• Failure to comply with temporary COVID-19 procedures could result in disciplinary action being taken. It is essential to ensure the health and well-being of all staff as much as possible.

2. DAILY HOME HEALTH CHECK AND SICKNESS REPORTING: Each morning before leaving for work, you must check if you have any symptoms of COVID-19 infection: 1) Do you have a high temperature?

Take your temperature every morning with the thermometer supplied by Boss Cabins. If it is more than 37.8 degrees Celsius, this is considered high.

2) Do you have a new persistent cough?

A new, persistent cough means coughing for longer than an hour, or three or more coughing episodes in 24 hours. If you usually have a cough, it may be worse than usual.

If you are exhibiting either or both of these symptoms, you may have COVID-19 and you should self-isolate for 7 days, continuing to monitor your temperature and symptoms

If you are intending to self-isolate, report it via the info@bosscabins.co.uk e-mail address or if you don’t have email, text Natasha on 07891 369656.

• State the following (see example below): o Full Name: Matthew Wordsworth o Job Title: Managing Director o Temperature: 38.5 o Intention: To SELF-ISOLATE. If a member of your family falls ill with suspected COVID-19, you should also self-isolate for a period of 14 days. Again, please report this using the info@bosscabins.co.uk email address or text to 07891 369656.

If you are self-isolating, please send us symptom updates on a daily basis via email or text so we know when to expect you back to work.

COVID-19 WORKING PROCEDURES 3. TRAVELLING TO AND FROM WORK: • Use separate cars where possible.

• Avoid public transport where possible. If you have to use public transport, ensure you sit at least 2m from the nearest passenger and sanitise your hands when you leave the transport.

• If travelling to work in a vehicle with a colleague who is not from the same household, there should only be one passenger per vehicle and you should maintain social distancing. The passenger should sit in the rear row of seats as far from the driver as possible.

4. ARRIVING AT WORK AND CLOCKING ON:

All staff should enter the factory via the side entrance.

All staff MUST pass through the Sanitisation Centre before entering the building.

In the queue for the Sanitisation Centre maintain a 2m gap between each person.

If you need the toilet while waiting, do NOT enter the factory. Use the Toilet Space block next to the Sanitisation Centre. You must still pass through the Sanitisation Centre before entering the factory so rejoin the queue after use.

• You may now enter the factory and go to clock in. If there is a queue, maintain a 2m gap between people at all times. This distance is marked on the ground.

• Before clocking in, you will be required to take your temperature using the infra-red thermometer provided and make a note of it in the book, The thermometer and book will be placed on a table at the queuing point just before the clocking in machine.

• Once you have clocked in, you must use the hand sanitiser provided to sterilise your hands again.

• Go straight to your place of work maintaining a social distance of 2m at all times.

COVID-19 WORKING PROCEDURES 5. PERSONAL PROTECTIVE EQUIPMENT (PPE) To carry out some activities during your working day, you may be required to wear PPE. There are three different levels that may be specified depending on the job. Please use the correct amount of protection for the job as listed in the guidelines.

PPE LEVEL 1: Disposable gloves

PPE LEVEL 2: Face mask and disposable gloves

PPE LEVEL 3: Goggles, face mask and disposable gloves

6. EQUIPMENT – GENERAL: • Where possible, DO NOT share equipment.

• If you have to share equipment, you MUST wear gloves and/or spray or wipe thoroughly with disinfectant between users.

• Face masks and gloves MUST only be used by ONE person. If you need extra supplies then inform management.

• ONLY touch your own keyboard.

• ONLY touch your own phone.

• ONLY use your own pens, pencils and stationery.

COVID-19 WORKING PROCEDURES 7. BREAKS & CANTEEN USE: • Only 12 people are to use the canteen at any one time. If the designated canteen seats are taken then you will need to find an alternative place to sit that allows you to maintain a distance of 2m from others.

• Before and after using the Canteen you MUST wash and sanitise your hands.

Sanitise hands before and after using the Canteen or touching any Canteen equipment.

• In the canteen sit only in the designated spaces which are clearly marked on the tables with red and white tape.

• Disinfectant spray and paper towels are provided in the canteen. Please you MUST it to wipe down your section of the table both before you sit down to eat and when you leave.

Only sit in the marked areas and maintain 2m social distance at all times.

Wipe down surfaces with disinfectant before and after eating.

• ONLY handle your OWN food and drink.

• Microwave – try to avoid using the microwave by bringing food that doesn’t need cooking or heating. If you do use it, you MUST only heat your OWN food. If queuing for the microwave, stand behind the line and leave a 2m gap between each person.

• Coffee and vending machines – use the machine one at a time. DO NOT make a drink for anyone else. If queuing for the machine, stand behind the line and leave a 2m gap between each person.

• Hot water dispenser – use the hot water tap one at a time. DO NOT make a drink for anyone else. If queuing for hot water, stand behind the line and leave a 2m gap between each person.

• If you need to use any cups or cutlery they MUST be washed prior to use with washing up liquid and hot water. After use, wash them again prior to returningthem to their storage place.

• If possible, bring your own drinking water from home each day in a named portable container and take your container home at the end of the day.

• Be aware that after touching any piece of equipment in the Canteen area including fridge, microwave, vending machines, hot water dispenser, you MUST sanitise your hands again before eating as these items will have been touched by numerous people.

• Make sure all waste goes into the bins.

COVID-19 WORKING PROCEDURES 8. SMOKING: • Refrain from smoking if possible, Government guidelines state that it increases your risks from COVID-19.

• The smoking shelter has been removed temporarily to prevent congregation there.

• Any smoking MUST be done next to the perimeter fence maintaining a distance of 2m between yourself and others.

• DO NOT share cigarettes or lighters with anyone.

9. TOILET USE: • During this period, we have made extra toilets available for use. These are located outside next to the SanItisation Centre. After using, you MUST wash and sanitise your hands in the Sanitisation Centre after use.

Use the extra toilets to avoid queues.

• If there is a queue for the sinks then stand maintaining a distance of 2m from other people.

This is marked on the floor.

• When flushing the toilet, use one sheet of toilet paper to hold the flush handle and then quickly drop it into the toilet so it flushes away. The Toilet Space toilets are operated by foot pedal so this is not necessary if using these.

• Two sinks have been taken out of operation in the main Mens toilets to ensure employees do not stand closer than 2m.

• Wash hands thoroughly for at least 20 seconds with soap provided.

• Make sure all waste goes into the bins.

• If there is a queue for the toilets then stand maintaining a distance of 2m from other people. This is marked on the floor in the factory and there are 2m boards erected on the fence by the outside Toilet Space unit.

Avoid touching the toilet handle directly.

10. MOVEMENT AROUND THE PREMISES: • All staff should move around the factory floor as little as possible.

• Only normal office workers allowed in the office areas.

• Other workers needing to enter the offices should stand in the marked area inside the doors and ask for the person they need to see. If they need to enter they must maintain a 2m distance from other people at all times and not touch equipment or furniture unless necessary.

When entering the office, wait in the marked square.

• Movement is to be restricted as much as possible without hindering work.

• Office workers should refrain from entering the factory floor areas unless it is necessary.

• All staff should only touch equipment and furniture if it is necessary.

• All staff should maintain a distance of at least 2m from all others wherever possible.

• Door handles and rails will be cleaned regularly with disinfectant.

COVID-19 WORKING PROCEDURES 11. CLEANING: • Cleaning will be focused on areas susceptible to communal touching. Extra regular attention will be paid to door handles, grab rails, toilets, table surfaces, fridge handles, microwave knobs and hot water dispenser, vending machines.

• Cleaning staff MUST wear disposable gloves (PPE Level 1) at all times. These MUST be disposed of into a sealed bin after use.

• Cleaners should use disposable cloths, cleaning surfaces with warm soapy water followed by disinfectant.

• Cleaners should wash hands regularly during the day with soap and water for 20 seconds, and always after removing gloves and other protection used while cleaning.

• The waste water in the Sanitisation Centre MUST be considered contaminated and PPE Level 3 MUST be worn when emptying and cleaning - PPE Level 3, gloves, mask and goggles.

• All waste bins on the premises MUST be emptied daily. They MUST be considered contaminated and PPE Level 3 MUST be worn when emptying and cleaning gloves, mask, and goggles. Waste MUST be placed in sealed bags.

12. IF YOU HAVE TO WORK CLOSER THAN 2M: • Some specific processes may require workers to be in closer proximity to each other than 2 metres.

• In these situations both workers MUST wear face masks and gloves.

• The workers should talk only as much as is necessary to undertake the work correctly and safely and should face away from each other where possible.

• The workers MUST move apart again as soon as it is feasible.

COVID-19 WORKING PROCEDURES 13. VISITORS: • To protect our staff and visitors during the current COVID-19 epidemic, only essential visitors will be permitted on site.

• No entry is allowed to the factory or office without a pre-arranged appointment.

All appointments will be staggered to avoid too many visitors at one time.

• On arrival, all visitors with an appointment should telephone the person you are here to see.

No visitors are allowed without an appointment.

• If visitors do not know the telephone number of the person they are visiting, they should call 0845 1801616, press extension ‘0’ and ask to be put through to their contact.

• The contact will then go and escort the visitor through our Sanitisation Centre procedure prior to entering the premises. The Boss Cabins employee will wear PPE Level 2 - gloves and a mask.

• After the visitor has washed and sanitised, they will have their temperature taken with an infra-red thermometer. If the temperature is high (37.8 or above) or the visitor is showing signs of a persistent cough, they will be asked to leave.

Telephone your contact on arrival

• If a visitor does not have a pre-arranged appointment, they will not be allowed to enter the site.

14. RECEIVING POST: • To protect our staff and visitors during the current COVID-19 epidemic, no entry is allowed to the factory or office without a pre-arranged appointment.

There is a sign on the front door explaining to the mail deliverer our temporary procedure.

• The person delivering mail should place all incoming mail in the mail box to the left of the front door.

People delivering mail should not enter the building.

• If any packages are too big to put in the box or require a signature, the mail person is instructed to ring the bell and a Boss Cabins employee will go to assist them.

• The Boss Cabins employee will wear gloves and a mask.

• If a signature is needed, the mail person should place the pad or device for signing on the table and move away. The Boss Cabins employee then signs and moves away. At no point should the two people come within 2m of each other.

Put all mail in the box provided.

COVID-19 WORKING PROCEDURES 15. SORTING INCOMING MAIL: • The government and medical advice is that the COVID-19 virus can last up to 24 hours on paper and up to 72 hours on plastic.

• The person sorting the mail should wear protective gloves.

• All unopened incoming mail should be placed in the Mail In tray.

• All outer plastic packaging should be removed from this mail and placed in a sealed bin.

• Next paper envelopes and any other packaging should be opened and the contents shaken out into the Mail In - Sterile tray. Do NOT take the letters out by hand as your gloved hands will have touched the envelope exteriors and could transmit germs from them to the envelope contents.

• All envelopes should be placed in a bin.

• As the items in the Mail In - Sterile tray are paper items and will not have been touched for more than 24 hours while in transit, these will now be safe to handle.

• The mail sorter should remove and dispose of the protective gloves, then wash and sanitise their hands before distributing the mail from the Mail In - Sterile tray.

• When distributing mail, please make sure you do not break the 2m social distancing rule.

16. GOODS IN/COLLECTIONS: • All goods-in paperwork is to placed by suppliers into the box provided. This paperwork will be collected by a Boss Cabins employee wearing protective gloves.

• If a signature is needed, the mail person should place the pad or device for signing on the table and move away. The Boss Cabins employee then signs using their own pen and moves away. At no point should the two people come within 2m of each other.

• All drivers delivering or collecting goods must contact this number on arrival - 07976 764545 There is a sign on the gates instructing them to do this.

• Drivers must wait in their vehicle until a Boss Cabins employee informs them where to park and what is the correct procedure for unloading/collection.

• The Boss Cabins employee who goes out to meet the Delivery/Collection driver must be wearing disposable gloves and a face mask.

• Delivery/collection drivers and Boss Cabins employees should not come within 2m of each other.

• If a visitor has to come within 2m of a Boss Cabins member of staff - to jointly carry something heavy for example both people should be wearing correct PPE gloves and mask.

• Collection paperwork will be placed in a sterile pack and placed in a sterile Goods Out tray for the Collection driver to pick up. The collection driver should sign the Collection note inside this sterile pack and place it in the Goods In tray.

• If goods have been delivered that need to be shelved or distributed around the factory, the outer plastic packaging should first be removed. Dispose of the packaging and the gloves worn to touch it in a sealed bin. Then shelve or distribute the items wearing a fresh pair of gloves.

• If the goods are delivered in paper/card packaging, they should be shelved immediately then not touched for 24 hours as the virus can only last 24 hours on paper/card.

If the items have to be used immediately, gloves must be worn to remove the packaging. The packaging and gloves used to touch it should be disposed of before distributing the items wearing a fresh pair of gloves.

• After the delivery/collection, the Boss Cabins employee should dispose of the gloves they are wearing in a sealed dust bin then wash and sanitise their hands.

COVID-19 WORKING PROCEDURES 17. DESPATCHING GOODS/DELIVERIES: • We have created a separate document explains our new temporary COVID-19 Despatch Procedures (see Appendix - COVID-19 Despatch Procedures). This MUST be read and adhered to by all Boss Cabins-employed

delivery drivers, by all external drivers contracted to deliver Boss Cabins goods, and by all customers receiving Boss Cabins goods. This document will be sent to all customers prior to delivery.

18. LEAVING THE PREMISES: • Refrain from leaving the premises during your break and lunchtimes if at all possible.

• At the end of the day when waiting to clock off, maintain a distance of 2m between all people in the queue, as marked on the floor.

• Once you have clocked off and before leaving the premises, pass through the Sanitisation Centre and wash and sanitise your hands again thoroughly.

• We suggest that members of staff travel straight home from work, shower on arrival at home or at least thoroughly wash and/or sanitise their hands when they enter their own houses.

19. GENERAL ADVICE: What to do if someone develops symptoms of coronavirus (COVID-19) on site: o If anyone becomes unwell with a new, dry, continuous cough or a high temperature in the workplace they should inform management straight away. They will be sent home and advised to follow the government’s guidelines: https://www.gov.uk/government/ publications/covid-19-stay-at-home-guidance/stay-athome-guidance-for-households-with-possiblecoronavirus-covid-19-infection o If anyone needs clinical advice, they should go online to https://111.nhs.uk/ or call 111 if they don’t have internet access. In an emergency, call 999 if they are seriously ill or injured or their life is at risk. Do not visit the GP, pharmacy, urgent care centre or a hospital.

o If a member of staff has been in proximity to someone who was taken unwell with a new, continuous cough or a high temperature, they do not need to go home unless they develop symptoms themselves. They should wash their hands thoroughly for 20 seconds and sanitise immediately after any contact.

• The government guidelines state that it is not necessary to close our business or workplace or send any healthy staff home. We will update these procedures daily in accordance with any new government guidelines issued.
