Preparing content Brand guidelines Please send us your corporate brand guidelines so we can work on design examples for you. This ensures we use your corporate fonts, colours etc and that your identity is not compromised in any way.

Word count When preparing articles for your publication please consider the following word count: A5 250 words per page A4 500 words per page Tabloid 1,000 words per page 2

Following this word count guide will allow us to be creative with the page layout and make best use of the photographs supplied.

Photographs When taking photographs please ensure the camera is set to the highest quality and resolution possible.

For the front cover photograph please focus on the main subject allowing space for the masthead and headlines.

We recommend images are portrait and are sent larger than A4 at 300dpi.

The front covers are governed by the quality of the photograph that you supply.

Stock images We are members of an online image library. If you require high quality stock images, please browse www.123rf.com and supply us with the image reference number. We can then download the specified image for use in your publication.

Production process and mailing (refer to production schedule) Copy in We prefer to receive all files on the ‘copy in’ date via email.

However, some clients like to send articles through as and when they are ready. Please see page 6 for more information on how to supply files.

Proof Once we have received the files we will layout your publication.

Some clients prefer to send a position and/or a prominence list to ensure the articles are placed appropriately. We will follow your corporate brand guidelines 4

regarding fonts, colours etc to ensure your identity is not compromised in any way.

Amendments When the publication is ready, we will email over a PDF proof by the ‘proof’ date to check for any layout adjustments or amendments. You can either email or call us with your amendments anytime before the ‘sign off’ date.

Print sign off Once signed off, we will email you a low res pdf for your intranet.

ebooks, please contact us for more information. An example can be seen here: www.octagon.org.uk/ ebooks/octagon Delivery It takes around 6 working days from when the printer receives the print files to delivery with either yourself or the mailing house.

Mailing It can take up to 5 working days to land on door steps from when your publication arrives at the mailing house.

Fulfilment From the database provided we will mailsort the database, laser the PPI number, returns address and postal address onto the carrier sheet, wrap in clear poly film whilst maintaining mailsort order, add all components, bag and tag for collection by Royal Mail.

Postage We send out mailing jobs via a 2-3 day delivery window. However, should you prefer to send out 1st class or discuss other mailing options, please contact us for a quote.

Supplying files When supplying text, we prefer separate Word documents for each article. When supplying images, please provide high resolution jpegs. The preferred method of sending us your files differs from client to client, here are the most common methods: Email Please ensure emails are less than 10mb and send to: richarddane@ octagon.org.uk Yousendit.com We have the facility to create an online folder for you to upload your 6

files via the link provided. If you have the facility to ZIP a folder, you can also send us a single 50mb file using these details below: 1. Go to: www.yousendit.com 2. Login using these details: User: richarddane@octagon.org.uk Password: octagon 3. Click on send. In the ‘To’ box, insert this email address: richarddane@octagon.org.uk 4. Click ‘Upload from desktop’ and choose the ZIP file.
