Leisure Group Policy

A group is defined as five or more suites travelling together. As an intimate and boutique property, some special conditions apply to ad hoc group bookings;

• Bookings over the peak festive season, from mid December to early January inclusive, are on a request basis only.

• A minimum two-night stay is required for all bookings.

Non-Exclusive Use Groups

For non-exclusive groups, to ensure minimal impact on other guests, the following special conditions apply;

• The maximum number of suites that can be booked for a non-exclusive group is 30.

• The Treehouse Restaurant has a maximum table size of eight (8) guests - larger groups will be required to dine at two or more tables and may be required to be seated for meals at staggered times.

• Public speaking is not permitted in the main lodge areas unless a private space is arranged in advance for your group, or conducted in the Marrdja Pavilion or Kubirri Lounge.

Exclusive Use Groups

The following conditions apply to exclusive use group bookings;

• Group bookings of 31 suites or more are generally only accepted on an exclusive use basis.

• Exclusive groups are not generally accepted over the peak festive season (midDecember to mid-January) inclusive. However, requests may be considered subject to a surcharge of one additional night’s accommodation.

• Separate booking terms and conditions apply to exclusive use groups and will be presented at time of enquiry.

Booking Timeline For Non-Exclusive Use Groups

Within 14 days of booking To confirm the booking, a one-night non-refundable deposit is due.

Up to two months prior to arrival

Cancellation received outside 2 months prior to arrival will forfeit the one-night deposit for non-exclusive use groups. Alternatively, we allow a reduction of up to 2 suites and a one-off date change to travel within 6 months of the original arrival date at no penalty for non-exclusive use groups only.

Two months prior to arrival The remaining balance is due to finalise the booking for nonexclusive use groups. Should part of the group or the entire booking be cancelled or postponed, a cancellation fee equal to 100% of the booking amount will apply.

Four weeks prior to arrival

• Arrival and departure details for all guests to be confirmed.

• Final rooming list to be provided.

• Any special dietary requirements to be advised.

• Any external experience and spa bookings to be finalised.

One week prior to arrival Full prepayment is required for any additional charges such as experience or spa bookings. A fee equal to 100% of the booking amount will apply to any changes or cancellations within one week of arrival.

Please Note

• Due to the regional location of the lodges, no refund or credit can be given in the event of a non-arrival for any unused services or unused nights for any reason including illness, flight and/or weather disruptions. Travel insurance is always recommended.

• Within two months prior to arrival, a postponement or date amendment will be considered a cancellation. Forfeited payments cannot be held in credit for future lodge bookings.

• Exclusive use groups, tour series, and business event bookings will be subject to separate terms and conditions which will be shared at time of enquiry.
