GALT’S GULCH SCHOLARSHIP ATTENDEE FAQS ELIGIBILITY & APPLICATION Who is eligible to apply? Students and young professionals worldwide, ages 21 to 35. When should I apply? Anytime, however, if you apply during our early-bird window, you will receive 50% off your registration fee. See event webpage for more information.
SCHOLARSHIP COVERAGE What does the scholarship include? Complimentary lodging for three nights, most meals and refreshments throughout the conference, and travel reimbursement up to a certain amount based on your home country. How much is the travel reimbursement? $1,000 from Europe, Africa, Asia, Australia, or a non-U.S. Pacific island/territory; $800 from South America, Central America, Canada, Mexico, or a U.S. Island/territory; and $550 from within the continental United States. When is reimbursement paid? After the event, based on submitted receipts. Reimbursements are typically paid 30 to 60 business days after submission and are processed in the order they are received. To qualify, you must attend and miss no more than two sessions without any violations of The Atlas Society’s Conference Code of Conduct.
TRAVEL PLANNING & REIMBURSEMENT Is travel insurance required? Yes. All reimbursement recipients must carry comprehensive travel and liability insurance. The insurance itself is a reimbursable expense (if you have not yet exceeded your reimbursement cap with other travel costs), and CFAR (Cancel for Any Reason) coverage is recommended to ensure coverage if you need to cancel your trip at the last minute for any reason. Note: To purchase CFAR insurance, you usually must do so within 90 days of your departure date. I lost some travel receipts. Can I still be reimbursed? No. We require valid receipts showing actual expenses for every reimbursable item. Rideshare receipts qualify only for trips between the airport, the host hotel, and your home — rides to any other location are not reimbursable. Meals and refreshments while traveling are not reimbursable, and lodging costs are not reimbursed.

GALT’S GULCH SCHOLARSHIP ATTENDEE FAQS Can I be reimbursed for the cash value of airline miles? No. We reimburse only actual costs with receipts. My flight was delayed, and I missed sessions. Am I still eligible? Yes, provided you miss no more than two sessions. If a delay means you will miss more than two sessions or be late for registration, notify us as soon as possible by emailing galtsgulch@atlassociety.org. If you wait until after the event to notify us of your delays, we may require proof of the delay. I’m adding personal travel to another city. Can you cover my flight home from there? We reimburse only Galt’s Gulch–related legs, and side trips for vacation purposes are not covered. If you will fly home from a different city than the one you flew into, contact us in advance for approval. I carpooled and paid another attendee in advance. Can I be reimbursed? Yes, with receipts. Both attendees must submit their receipts so we can split the costs correctly. The simplest option in this scenario, and the one we recommend, is for one person to pay upfront and be reimbursed for both eligible awardees. Someone else booked or paid for my flight. Can it be reimbursed? Yes, if receipts show you as the traveler and you confirm by email that you’d like your reimbursement sent to another person’s account. Reimbursing a third party’s account is a special circumstance — email us in advance. I flew into a different airport and rented a car. Can you cover both? Generally, we reimburse only airfare or driving costs, not both. However, if flying elsewhere and renting a car is cheaper than flying directly into the local airport, contact us in advance for a possible exception. Can you reimburse a layover hotel due to a flight delay? No. Lodging during travel is not reimbursable — that is why we require travel insurance. Additionally, if an airline delays or cancels your flight, they often offer a lodging waiver at participating hotels. Make sure you talk to the airline’s customer service counter if your flight is delayed or canceled. I want to stay in the U.S. after the event. Will you still cover my flight home? This may be possible, however, this is a special circumstance that requires advance approval, so email galtsgulch@atlassociety.org first, especially if you plan to extend your stay longer than 30 days. Any reimbursable return trip must be booked before the event, and side trips for vacation purposes are not covered. GALT’S GULCH SCHOLARSHIP ATTENDEE FAQS TRAVEL VISAS & ENTRY INTO UNITED STATES Do I need a visa? While some international travelers may be eligible to enter the US under the ESTA program, most will need to apply for a B1/B2 tourist visa. You are responsible for researching, confirming, and obtaining your own visa. We recommend you begin immediately, as wait times for an interview/visa decision can be extensive. Can I get a letter of invitation for my visa application or for entry at a Customs and Border Protection checkpoint? Yes. Email GG_travel_visas@atlassociety.org with your full legal name and residential address and allow 5–7 business days for a response. Request your letter before March 1st. Requests after March 1st may not be processed in time for you to apply for your visa. Even if you only want the letter for the day of your travel, please submit your request as soon as possible. We will not process any visa invitation letter requests submitted to us the week prior to the start of the Galt’s Gulch conference. What are the visa deadlines for this event? Confirm your visa status (approved, denied, or appointment scheduled) with The Atlas Society team no later than April 1st, and provide proof of a valid visa by May 1st, or email GG_travel_visas@atlassociety.org with your visa interview/decision date if you’ve yet to receive a visa. If your visa is denied, you must notify us immediately.
LOGISTICS & EVENT DETAILS When and where is the next conference? The next Galt’s Gulch Conference will be held at the InterContinental New Orleans in New Orleans, Louisiana, from June 3rd–5th, 2027 (Thursday–Saturday). Which airport should I fly in and out of? Louis Armstrong New Orleans International Airport (MSY). What are the lodging dates? Check-in Thursday, June 3rd: check-out Sunday, June 6th.
