OUR VALUE PROPOSITION

You must –- undertake the compulsory data protection training within a month of starting your new role at GWS; - familiarise yourself with the Data Protection Policy which can be found on the company’s intranet; - familiarise yourself with GWS’ Client and Staff Privacy Notices; - take all reasonable steps to prevent the unauthorised disclosure of or access to personal data and special categories of personal data you process or transfer during your employment; - comply with the GDPR and data protection laws when processing any personal data and special categories of personal data during your employment; - share personal data on a “need to know” basis only; - take all reasonable steps to ensure that any third party to whom you transfer any personal data and special categories of personal data not only complies with the GDPR but also prevents it from disclosure to or access by unauthorised persons; - be able to recognise when someone is exercising their rights in their Personal Data in order that you can refer the matter to your supervisor/ line manager or HR representative. - inform your supervisor/line manager or HR representative immediately on becoming aware of any actual or suspected breach of the requirements of data protection legislation; - and inform the company immediately of any changes to your personal data.

IT EQUIPMENT

GWS IT equipment is provided for your work. It is your responsibility to ensure your laptop and mobile phone, as well as the information contained within it, are kept safe and secure at all times. Also, that the operation of all equipment is in accordance with the manufacturer’s instructions. You must report any loss of either immediately.

Access to GWS email is for work purposes only. We operate a strict email policy, the key points of which are:

• Employee use of GWS e-mail is restricted to business use • Employees are not permitted to load or use software received via email

All software requests are managed via Information Technology • Avoid remarks of a defamatory, racial or sexual nature. Emails can be used as evidence in a court of law • Do not use email to send confidential information, email is not a secure means of communication • Email must not be used to send or receive material which is obscene, sexually explicit, incites or depicts violence, or describes techniques for criminal or terrorist acts • Limited personal use may be made, but only in exceptional circumstances
