Setting Up

Getting started is easy. The fi rst step is creating profi le questions for students to answer. To do this simply click on ‘Profi le Questions‘ in your blue setup menu and you can add your own questions.

Adding Profi le Questons

You can filter who can answer certain questions, using the 'Who to ask' drop down menu.

Need some Ideas...

• Nickname

• Three words to describe me

• Favourite Quote

• Favourite Song

• Favourite Movie

• Favourite Book

• Best Memory

You can edit the question, or delete it.

To delete a question, go to 'Who to ask' and select 'No One (Deleted)'.

Remember...

Even if members aren’t logging in, you’ll still need to add the questions here. After that, you can fi ll in their answers for them.

• Where are you going next?

• Hobbies and interests

• I will be remembered for...

• Most embarrassing moment

• In 10 years time I will be...

• Movie title which describes my life

• Favourite canteen food

Adding Awards

Everyone loves award pages and they are a really great way of personalising your yearbook.

You’ll need to add the award categorieseven if the winners are already decided or members aren’t logging in. Then it’s just the fun part: crowning the winners!

To add an award click on 'Votes and Awards'

Click 'Add an award'. For each award, you'll be able to select the nominees.

On the votes and awards page you can also open and close voting, and cast your own vote.

• Most likely to win an Oscar

• Most Dramatic

• Cutest Couple

• Best Smile

• Always late

• Most Dependable

• Best/Worst Driver

• Biggest Gossip

Adding Profi le Pages

Incorporating profi le pages and content couldn't be simpler. Our system will seamlessly connect student names with the content they upload! Including photos and answers to profi le questions.

Go to: Home > Add pages > Profiles

Remember!

1 spread = 2 pages!

You can then:

• Title your page

• Select your layout

• Link a pro file group

link your profi le groups here

You can effortlessly add multiple pages at the same time by using the drop down 'pages' menu, and our system does all the calculations for you, for the number of spreads and profiles you will be creating.

Knowing how many students you want per page makes choosing pro fi le page styles a lot easier!

If members have not joined your book yet, you'll see our colourful and vibrant placeholder profi les.

But don't worry, these will be replaced by your real members as soon as they join and start adding photos!

From this...

...to this

Did you know?

You can change a member's pro fi le group via the Pro fi les & Groups page.

As the members add their photos and text this auto-populates into the book, saving you time.

Can I change the page's pro file group?

Using the drop down menu you can select a new profile group to appear on the page.

What can members see?

Members can't design pages, they are only able to upload content to their profile!

It is also what members will be greeted with whenever they log into the book, so it's a good idea to get familiar with this page!

Members Logging In

Our collaborative option, designed to save time and admin for Yearbook editors.

Select ‘Invite by email’ and just paste in the email addresses - it’s quick and easy! The email will include the invite code and joining instructions.

Collecting content has never been easier! Most schools let members log in to add messages and photos automatically, while still leaving room to add offline eg teacher messages manually. Flexible, simple, and hassle-free.

Can I Design My Own Cover?

Yes, of course you can!

Your cover can be designed online or hand-created on paper. If designing on a computer it’s best to save your design as a high quality JPG or PDF file to send to us, with any extra instructions needed. Scan paper designs at high resolution (300 dpi) and send it to us with any other requests.

Top tips for designing your own cover

Web images don’t print well, so skip the copy-and-paste.

Just let your coordinator know what you’d like on the spine - we’ll take care of it for you.

Be sure to keep an editable version of your cover (not just JPGs) in case we need to make changes. Don’t worry - we’ll send you drafts to tweak until it looks just right!

Payment

We want to make payment as straight forward as possible! This is why we have two simple systems for collecting payments.

1. Three-part payment

£100 deposit

Due whenever you would like to secure your order.

80% pre-print payment

This is due by your print deadline, we cannot go to print without this.

20% final payment

The remaining balance (if any) is due within 10 working days of delivery.

Downloading an invoice

Information regarding payments is available within the 'Payments' section of your setup menu. In this area, you can access invoices, process payments, modify your billing address, and set up your online shop for individuals payments.

We accept online card payment, bank transfer and cheque payments.

2. Individual payments

If the thought of collecting payments from everyone seems daunting, allow us to handle the challenging part for you. You can set up an online shop through our individual payments method. Each person can conveniently make their payment directly!

Emailing the link around to everyone saves lots of time and makes it easier to collect payments!

Set your copy and page amounts on the 'Order Details' page. This will give you a price to charge.

12

3

Set your price, leave a message and set a payment deadline.

Go to 'Payments'. Here you will be able to click 'find out more and start collecting payments'.

Our system collects a list of all the students that have paid, which you can download at the end of your project. This makes handing the yearbooks out a lot easier.

4

Members can then pay online by going straight to and typing in the yearbook number.

Proofreading and final checks

School Sign off

While creating your yearbook you will receive a message from your coordinator at some point asking you to nominate a staff proofreader.

This is all part of the process, we just ask that a member of staff has been given the opportunity to be involved with the project, as it is using the school's name.

We will need: A staff member's name and school email address

Get school sign-off before using their name, logo, or photos.

We'll then get in touch with the staff member to see if they are happy to proofread the book

They'll receive editor login details so they can access the book, or they will give the chief editor permission to confi rm the book on behalf of the school

The staff member will give their fi nal confi rmations and sign the book off for printing

Who should I ask?

To avoid delays, contact the school or teachers early. Start with your head of year, and if it's not them they can suggest someone else. Teachers may also authorise an editor with written con firmation.

To make sure everything runs smoothly, plan proofreading in advance, speak to teachers ahead of deadlines.

The Final Stages

1

Closing your book

We recommend you do this at least a week before your final deadline. This gives you time to follow up on any pending content but also allows time for proofreading.

Once closed only editors can view and make edits to the book.

3

2 Click the green confirm button!

Request pre-print checks

Prior to finalising the printing of your yearbook, a member from the AllYearbooks team will review your book to identify any potential printing concerns. Our focus is on identifying issues related to fonts, colors, and images.

Review your book

Once you've gone through the pre-print checks and are happy with everything in your book, we will need your final con firmations to go to print! All content should be reviewed carefully by you, since we don't proofread or correct spelling.

Remember to check:

• Number of copies you are ordering

• Triple-check spellings & look out for typos • Make sure everybody is featured in the book!

• Names are spelt correctly on cover

Your handout date guides the whole process - most choose end of year, prom, or leavers’ assembly.

How do I set my delivery date?

Head to 'Delivery' to pick the date you would like to have your yearbooks delivered and keep your yearbook on track!

How long does printing & delivery take?

Depending on your book style, printing and delivery can take anywhere between two and three weeks.

International Delivery

We are proud to be delivering all over the world. To do so successfully we need to add additional delivery days. This is all shown in your own yearbook delivery plan - to keep you all on track.

Scotland (+5 days)

Northern Ireland (+10 days)

Ireland (+5 days)

Channel Islands (+10 days)

Europe (+10 days)

Rest of world (+10 days)

What checks take place before printing?

We will review your book ahead of printing checking for potential printing issues and supply you with a list of items for you to review and to consider before you submit to print. We DO NOT PROOFREAD OR SPELLCHECK the contents of your book. Checking for typos, appropriate content, duplicated images, missing students etc. are the responsibility of you, the editors of your yearbook.

A page is a single side of paper. Our minimum page count is 40 pages, that's 40 single sides. Your cover and endpapers are not included in your page count. What is a page?

What resolution should my images be?

We want your yearbooks to look their best. The greater the DPI the more detail you'll capture in your images. We recommend 300dpi. If you have a low resolution image you will fi nd it looks a little blurry and lacking in detail. Our system will also inform you if your image is below 100dpi. If you really want to use that particular image you can ignore the warning, but we would recommend replacing.

Are there any hidden fees?

Yearbooks are zero rated for VAT and delivery to the UK mainland is free!

There are additional charges for overseas delivery and priority printing.

Our delivery costs do not include any import charges or customs fees that may be incurred depending on your location. You will be responsible for covering any fees once the order has been dispatched.

If you are using professional images from a photographer or photography company you may incur a copyright release fee from them.

Can I see a proof before printing?

Yes! Once a deposit payment has been secured, you are able to download a PDF copy of your book to review before you complete and sign off on your project.

Does the school have to be involved?

When incorporating the school logo, name, school-related images, school staff etc, obtaining permission from the school is vital for the book's production.

This extends to projects undertaken independently, such as those organised by the PTA or parents. Printing cannot proceed without obtaining consent from a school staff member.

While direct school involvement in the project isn't necessary, securing permission from the school for the book to be printed is required.

What is the difference between editors & members?

An Editor has full access to the yearbook and has full creative control. They can invite other people to join the yearbook as members and upgrade users to be an editor.

Members are the people in your yearbook: students, colleagues, friends etc. They have limited access to add their pro fi le content, vote on awards and add photos for editors to use.

Did you know?

Our yearbooks are handmade and hand fi nished in the UK. We pride ourselves on creating yearbooks that are professionally fi nished and built to last - they go through stringent testing to ensure your books are of the highest quality and keep your memories all in one place.
