Dear AIESECer,
If you are reading this, you are about to be part of something bigger than yourself. The AIESEC International Congress is not just another gathering—it is where the world comes together to be unstoppable. It is where boundaries fade, cultures unite, and young leaders shape the future.
This year is even more special. It marks the launch of AIESEC 2030, the beginning of AIESEC’s next five-year journey. Together, we will set the direction that will define our movement until 2030—a future shaped by our collective ambition, resilience, and belief in the power of leadership. The dreams we ignite here will not just stay in these rooms; they will ripple out, transforming lives, communities, and the world itself.

The election of the AIESEC International President is a pivotal moment where delegates, united by a vision for change, help shape AIESEC’s global future.
REGISTRATION PROCEDURE
Registrations for AIESEC International Congress 2025 is now officiallyopen! Did you know that it will take less than 10 minutes to register for the IC?
The registrations would be happening through a TypeForm.
You will have to provide information such as name, AIESEC entity, AIESEC experience, passport information, health & dietaryinformation etc.
Afterwards, the DX Team will go through your information and send you the following forms to be signed after the AI confirmation:
● Indemnity Form
● Anti-Sexual Harassment Form
● Anti-Substance Abuse Policy Form
Alongside these forms, you will be asked to submit documents such as passportcopy,visadocuments,ticketdocuments etc.

● Delegate fees INCLUDE accommodation, breakfast, lunch, dinner, and transportation for conference purposes DURING the official conference days.
● Delegates planning to extend their stay beyond the conference dates can either join the post-conference tours or book additional accommodation recommended by the CC or otherwise.
● Delegate fees DO NOT cover airline tickets, visa fees or delegate insurance of any kind.
● Details regarding the payment process will be communicated via email at a later date.
Cancellation & Refund Policy
● A Member Committee (MC) or Official Extension may replace a registered delegate with another, free of charge, until 15th May 2025, pending approval from AIESEC International (AI). After this date, any changes to delegate names are subject to the discretion of the Congress Committee (CC).
● However, the CC cannot guarantee Visa arrangements for replacements made after 15th May 2025. Delegates changed after this date, who are accepted but unable to obtain a Visa on time, will be the full responsibility of the respective MC.
● Any cancellations made on or before 15th May 2025 will be free of charge. Exceptions will apply to delegates who provide written communication at the time of registration, stating they are seeking funding, addressed to ILMSC, AIVP Finance, and CC.
● For any cancellation to be processed, the delegate must communicate the cancellation via email to the CC by writing to international.congress@aiesec.org, and cc the email to didulanka.gamage@aiesec.net, ameera.izmie@aiesec.net & sadeesha.sathmina@aiesec.net
● Cancellations made between 15th May 2025 and 31st May 2025 will incur a cancellation fee of 50% of the total delegation fees.
● Cancellations made after 31st May 2025 will incur the full delegation fee as a cancellation charge.
● Delegates who registered during the 1st, 2nd, or 3rd rounds but fail to obtain a Visa and do not inform the CC of their cancellation by 31st May 2025 will remain fully liable for the conference fee.
● Delegates unable to attend the conference due to Visa rejection or lack of response on their Visa application, who inform the CC between 1st June 2025 and 10th June 2025, will be charged 50% of the delegation fees.
● AI is not responsible for any losses incurred by MCs or Official Expansions due to non-approval or delays in approving replacement delegates.
VISA INFORMATION
How to apply for Visa?
It is recommended to apply for Business Visa (Electronic Travel Authorization - ETA). It is affordable, and easy to obtain.

Important Notes:
● Please find a comprehensive guide on applying for visa in the Visa Booklet.
● Keep in mind that there are different visa types depending on your country of residence. For more details, refer to the visa booklet.
● The ETA is initially limited up to 30 days from the date of arrival and it can be extended up to six months.
● Plan your visa application early to ensure a smooth arrival and enjoy a stress-free experience in Sri Lanka!
PRE & POST STAY
For delegates arriving in Sri Lanka prior to the conference, we have curated a list of recommended hotels near Citrus Waskaduwa.
These accommodations offer a range of amenities and are within a short distance of the conference location.
TRANSPORT
Would we be provided with Airport Pickups?
YES. CC will provide a shuttle service from the airport to the venue on the conference starting date.
More Information to be provided soon.
CC will not cover for pre/post travelling transportation but will be there to assist.

Travel Tips
Getting Around
Taxis and tuk-tuks are your go-to options. Tuk-tuks are cheap, fun, and the ultimate local experience!
Dress Smart
Pack lightweight clothes, sunscreen, and comfy shoes. Stay cool and protected in the tropical heat.
Bug Off!
Mosquitoes love the tropics, but don’t let them ruin your vibe. Bring insect repellent and keep them at bay.
Spicy Delights
Sri Lankan food is bold, flavorful, and often spicy. Try the local dishes, but let them know if you want it mild.
Be Prepared!
