BEYOND THE MAILROOM by Sco Johnson, Data Quality Sales Director Beyond the Mailroom is a new sec on in our newsle er which will primarily focus on providing insight as to how address verifica on and contact data technologies can be applied to other areas of an organiza on outside of the mailroom. Typically, in most organiza ons, the address contact data process flow begins at input and ends at output. The output stage is o en the mailroom, mail house or perhaps email, text or phone depending on how an organiza on prefers to communicate with their customers. Somewhere in the middle the address contact data is most likely maintained in some type of database. Let's go into more detail about the input and middle stage since this is the focus of Beyond the Mailroom. What do we mean by input? Address contact data (name, address, city, state and zip) is extremely valuable to organiza ons and is collected in a variety of methods. This data can be collected at point of entry on a website form, in a contact center over the phone, within internal data entry applica ons or perhaps on a mobile device. It can also be acquired in batches such as mailing lists or databases containing millions of records. The input stage focuses on any new address contact data being acquired by an organiza on. Where is address contact data maintained? A er address contact data is collected at input, it typically has to be stored or maintained in some type of database or customer rela onship management (CRM) system. Examples might be Excel, Access, SQL, MySQL, Salesforce.com, Siebel, Oracle or a number of other contact data management systems designed for specific industries or applica ons. The middle stage (database management) focuses on how to ensure address contact data is properly maintained a er it is acquired. To manage costs and business problems associated with incorrect or outdated address contact data, it is recommended organiza ons have a system in place that can iden fy and correct data quality problems at all three stages - input, database management and output. In the past, an enterprise data quality system would have been extremely expensive to implement and maintain. With new technologies, such as web services and cloud based processing,

being able to ensure accurate address contact data is input correctly and maintained on an ongoing basis has never been easier. In future newsle ers, we will go into more detail about our data quality technologies and capabili es beyond the mailroom and how they might benefit your organiza on. We will also share with you how specific industries, such as retail, healthcare, insurance, u li es and educa on, are taking advantage of these new technologies to solve their data quality goals and ini a ves. If you would rather not wait, feel free to contact us to learn more or visit our data quality website at h p://www.accuzip.com/products/data_quality/index.htm.
