A logo was created along with the formation of the new Department for Institutional Advancement in 2011 to symbolise its core function: to take UWC to new heights in terms of image building, growing Alumni pride, communicating areas of excellence and expertise, hosting events, increasing online presence and generating third stream income through donor relations. The symbol is a stylised lower case IA that projects the I ever upward and, with the A, forms the infinity symbol – which here represents sustainability.

Changing Perception

UWC has transformed from an apartheid creation in 1960, limited to undergraduate degrees for coloured people, to an institution of global repute with seven faculties, numerous specialist world-class institutes and centres and a post graduate focus.

However, despite graduating an average of 4 000 students a year – of which there has been an average of 74 PhDs over the past two years – an attitude that UWC is “inferior” to other higher education institutes in the region, offering lesser qualifications, employing lesser academic staff, offering limited facilities and turning out graduates lacking in desirable attributes that are required by employers.

It is the task of IA to drive communications and campaigns to change that mindset among staff, students, alumni, funders, employers and specially among learners in the region so that they see UWC as a university of first choice.

UWC should be seen as the triumph over adversity that it is. UWC’s needs – infrastructure funding, bursary funding – should be seen as investment potential as opposed to “poor neediness”. It is IA’s task to place UWC in its broader African and global context and to shape a new understanding that UWC is no longer that disadvantaged college needing charity – but partners to seek solutions to the future.

Institutional Advancement in its UWC Context

IA is a service department providing strategic, tactical and operational input across the University with regard to donor relations, alumni relations, media liaison, communications, marketing, branding, online practices and eventing.

IA Units work closely with other service departments that are also tasked with advancing UWC through recruitment and student experience.

All activities are aligned to the core objectives of the IOP with the end result being to generate funding, grow loyalty and pride, recruitment of excellent staff and students in order to attract partners and funders so that UWC may enhance its credibility and continue to grow in a sustainable manner.

Reporting

Great emphasis is placed on creating clear lines of reporting – and to defining measures against the goals and objectives of the IOP.

Key matters, the events listing and proposals are taken to senior management for information and consideration by the PV-C bi-monthly.

Each Unit within IA holds weekly meetings to plan the week ahead, to review the week past and to check that all actions are correctly targeted to achieve the desired outcome.

A monthly staff meeting is held to address general human resource and other staffing issues and concerns.

Systems have been created and revised over the year to best document plans of action and costing against specific outcomes.

Each Unit manager reports to other units through fellow managers at the weekly management meeting with the PV-C.

Unit managers attend regular faculty and other department meetings to both inform and to gather information that is relevant to the IA mandate.

A six month Department Report and an Annual Report are compiled to showcase the workings and achievements within each Unit.

Donor Relations Overview After a hiatus of approximately four years in which no formal fundraising took place, the newly established Donor Relations Office was established towards the end of 2012 as part of the Department of Institutional Advancement (IA).

The newly established Donor Relations Office operates in alignment with the University’s IOP objective number 6: ‘To shape the internal and external standing and profile of UWC as a vibrant Institution through the use of diverse communication and marketing strategies to support our goals’ The Donor Relations Office aims to build sustainable partnerships for UWC to increase donor support. This is guided by the newly approved Fundraising and Proposals Policy and managed through realistic fundraising and stewardship initiatives. This policy further aims to streamline and centralise fundraising activities at UWC while also assisting the process of prioritising projects, stewardship, monitoring and evaluation and reporting obligations to donors KEY PROJECTS AND OUTCOMES • Kresge Special Initiative Challenge Grant As one of the original successful participants in the Kresge Foundation South African Special Initiative in 20052010 to facilitate the building of capacity around advancement at selected South African higher education institutions,

UWC was recently selected by the Kresge Foundation to participate in the second Higher Education Special Initiative in South Africa.

The core group of universities selected to participate in the second Kresge Challenge Grant initiative of 2012-2016, were invited to each submit five milestones per annum for this period. The Kresge Foundation will award a bonus grant of $50 000 for each successful year towards the advancement initiatives of the institution, if the annual milestones are met over the five year period. The Department of Institutional Advancement works closely on this initiative with Inyathelo, the Kresge Foundation’s South African partner, the South African Institute for Advancement in South Africa.

Infrastructure Projects The key milestones set for the five year programme foresee the Donor Relations Office playing a key part in the fundraising efforts for new capital projects at the University. The key milestones are: • The new Chemical Sciences Building; • Refurbishment the J S Marais Hospital; • Stadium Upgrade; The key priority set for 2012 within the five year infrastructure framework plan for the University was the launch of the New Chemical Sciences building campaign. A proposal has been developed as part of the priority framework and timelines for the fundraising and development programme around this are near completion.

The report back session to the Kresge Foundation will take place in February 2013 at which point it will be established whether the University qualifies for the first Challenge Grant.

In addition, the Centre for Performing Arts received a donation towards infrastructure upgrade from the Chancellor of the University, Archbishop Thabo Makgoba through the Archbishop TC Makgoba Development Trust.

Some of the University’s existing partnerships which continue to support the work of the University include:

PARTNERSHIPS A new partnership has been established with MERseta for the Extended Curriculum Programme and Winter School, initiated by the Faculty of Science, to which the MERseta has committed R1 556 940.

Funding has been secured for the first year on a pilot project basis. In addition, the Industrial Development Corporation has awarded the Faculty of Science a grant of R500 000 towards its Extended Curriculum Programme, also on a pilot project basis.

Extended funding will be considered following the success of the roll out of the pilot phases of these projects.

A dormant relationship with Sanlam was revitalised late in 2012 and culminated with their award grant of a R290 000 towards a teacher capacity building project initiated by the Faculty of Education.

This project seeks to ‘Improve the overall participation rates in Mathematics Grades 10-12 to increase the overall quality of learner throughput in the National Senior Certificate Grade 12 Maths examinations’.

Johannesburg Golf Day 2012 marked its 8th Annual Golf Day in Johannesburg. The first Golf Day in Johannesburg was held in 2000 at the Killarney Golf Course with 60 players. The subsequent Golf Day in Johannesburg took

place in 2007 at the Killarney Golf Course.

In 2012, the number of participants increased to 112 players at the Randpark Golf Club. Ten companies generously sponsored the watering holes.

UWC staff, former staff members, the Gauteng Alumni Chapter, corporate and individual donors assisted to make the event a success.

Golf Day Cape Town UWC hosted a successful 36th Annual Golf Day at the King David Golf Club in Montana on Tuesday November 13 2012.

The first Golf day was held in 1976 with 24 players teeing-off, while. 2012 saw 144 players (36 teams) participating.

UWC extended a special word of thanks to the Platinum Sponsor, Old Mutual Corporate, as well as to Gold Sponsor ABSA Capital, and all other sponsors who generously contributed towards the watering holes and prizes. In total, eight companies sponsored the watering holes.

Archbishop T C Makgoba Development Trust The University of the Western Cape’s (UWC) Chancellor, The Most Reverend Dr. Thabo Cecil Makgoba, donated R15 000 to the Centre on 12 December 2012.

“I was greatly moved by the magnificent performance at the Rector’s Concert,” said the Chancellor, who attended UWC’s Annual Rectors Carols by Candlelight Concert in November . “Rector Brian O’Connell informed me that the centre needs an air-conditioning system - and through the Archbishop Development Fund, we were able to make this donation possible.” The money will also contribute to bursaries for Centre Performing Arts students.

THE UWC FOUNDATION: BOARD OF TRUSTEES The Investment Report’s Presentation by RMB Private Bank was noted and that the current value of the portfolio had increased to R78m as a result of the bond market performing well and the reduction in interest rates.

BUSINESS PLANS: 2013 Research, Teaching and Learning, Access, Throughput and Greening

The 2012 Annual General Meeting of the Board was held on Monday, May 28 2012 and the General Meeting on Monday, 13 August 2012.

In 2011 the Board resolved that the number of trustees serving on the Board should be increased.

At the Board’s meeting in May 2012, the Acting Chair, Judge Essa Moosa, welcomed Fred Robertson, Deputy Executive Chairman of Brimstone Investment Corporation, to the UWC Foundation. The Board approved the appointment of Robertson as a Trustee and further nominated him as Chairperson of the Board from May 28 2012. At the General meeting in August 2012, O J J Tabane, the late Prof J Gerwel, L Maasdorp and Jaap Durand were nominated as new Trustees to serve on the Board.

The Board annually considers requests from the Executive Management Committee for funding particular projects which cannot be funded from the University’s general budget. The Executive Management Committee also included the Infrastructure and Efficiency Funding Proposal 2012 –2014 which was submitted to the Ministry of Higher Education and Training.

The Board further approved the request for funding R3 654m for existing posts and media support for 2013.

In alignment with the Kresge Challenge Grant milestones, the objectives of the Donor Relations Unit’s Business Plans for 2013 incorporates benchmarking percentages in the following categories: • Increasing overall 3rd Stream Income to the University Establishment of a Fundraising Committee • Priority Infrastructure Projects : Funding Proposals and Marketing • Academic and Community Engagement Projects : Funding Proposals and Marketing • Development of a Financial Aid Donor Relations Portal • Development of an Alumni Donor Relations Portal • Development of a Financial Management and Donor Administration Plan • Development of the Annual Donor Report • Development of Due Diligence template; • A Contract Agreement template.

Alumni Relations overview 2012 ushered in excitement and enthusiasm to drive significant change in the Alumni Relations Department.

With vigour and commitment the Alumni Relations team under the leadership of the newly appointed Pro-Vice Chancellor, Patricia Lawrence, mapped out key areas to improve and strengthen the relationship between the University and its Alumni.

Some of these key milestones included launching a new formal Alumni Association Structure with a new Alumni brand identity, recruiting alumni as paid members to the association, servicing alumni through regular communication and delivering key alumni publications, through inviting alumni back to the University to engage in leadership dialogues as part of the Alumni ‘Lead from where you are’ programme and to improve the quality of the Alumni database for effective communication.

The Association create dynamic platforms for communication and engagement; create opportunities for annual giving and provides a formal framework to establish local and international Alumni Chapters.

During 2012, the Alumni Association embarked on alumni marketing and recruitment campaigns to encourage alumni to join the Alumni Association.

More than 700 proud UWC Alumni joined, contributed their membership dues and got their free Alumni T-shirt. The recruitment campaigns were largely focussed internally these will be expanded on in 2013.

This report showcases the significant achievements made and alludes to expanding on it in 2013.

Launch of Uwc Alumni Association The newly structured Alumni Association was launched in January 2012.

The Alumni Association is a formal structure that builds affinity and pride in the institution through encouraging alumni participation and interaction.

Alumni Recruitment A total of 754 alumni joined the UWC Alumni Association by the end 2012.

A total of R59 950.00 was raised through the Alumni Association membership dues.

As part of the 2012 internal recruitment strategy, the Alumni Relations Office provided Alumni with an opportunity to join the Alumni Association either by signing up at major events on campus or through our Faculty campaigns. The Alumni Relations team set-up at many of the University’s major events. A large a number of sign-ups took place at the University’s

annual graduation ceremonies in March and September. New graduates were able to join the Association as they collected their ceremony apparel in the GH Hall on the day of their graduation. Other forms of recruitment included responding to the call to join the Association displayed in the newsletter, e-mailers and posters.

Alumni Recruitment Process Since the Alumni Association was formally introduced at the beginning of last year, the Alumni Relations Office had to develop business processes that supported the recruitment of Alumni members. The Alumni Relations Office implemented a newly designed process aimed at tracking each individual sign-up and thanking him/ her accordingly. In collaboration with the Finance Officer, the Data Administrator, Alumni Assistant, Alumni Coordinator and Alumni Manager, the new recruitment process allows us to load a member’s details onto the system and immediately send him/her a thank you sms and a thank you letter with a receipt and tax certificate.

Graduation Process

The Alumni unit captured the Graduation process by highlighting the different steps of graduation in the main hall. At Step 4 in the Alumni graduation process (after having been capped and receiving their certificate) the graduate will reach the Alumni table where he/she will receive an Alumni Bag with small graduation gifts as the final graduation send-off. This branded Alumni bag includes a congratulations letter, Alumni badge, calendar, pen, Alumni newsletter and Alumni sticker. In future the Alumni Relations Office will mail a congratulations letter to all new graduates along with their graduation pack. The letter will also invite new graduates to join the Alumni Association and sign-up on the day of graduation.

‘Lead from where you are’ Alumni Programme

A key milestone for the Alumni Association was the launched of the ‘Lead from where you are’ programme. The ‘Lead from where you are’ programme includes a series of leadership conversations hosted by the Alumni Relations Office, aimed at creating a platform for discussing topical leadership challenges of the day.

The ‘Lead from where you are’ programme originates from the premise that everyone has the potential to lead successfully, irrespective of the position they hold, and that we all need continuous nurturing to deal with the challenges that come with leadership. We invite Alumni to share some of their daily challenges as leaders (from where they are). Together we unpack the leadership principles that could help address those challenges.

The Alumni Association uses this platform as a way to continue investing in the leaders produced by the University through creating a space for interactive discussion and looking at common challenges across many fields and positions.

The first leadership dialogue was in partnership with the Faculty of Economic and Management Sciences, held on Thursday July 19 2012 and focussed on ‘Dealing with everyday leadership challenges in Business’. The guest speaker was Taswell Papier, Director of Edward Nathan Sonnenbergs. The event was attended by more than 90 UWC Alumni that serve in different leadership roles in companies such as Bowman Gilfilan, Old Mutual, Nedbank, Edward Nathan Sonnenbergs, Provincial Government Western Cape, Tokiso Dispute Settlement, CCMA, Urban Issues Consulting and Community Chest South Africa.

The second leadership dialogue was in partnership with the Dentistry Faculty, held on Saturday, September 29 2012 and focussed on Leadership Challenges in Health Sciences. The discussion was led by a prominent leader Prof Jairam Reddy, a former Dean of the Faculty of Dentistry at UWC, the Ex-Rector of the University of Durban Westville, currently appointed as a consultant for the establishment of a new dental faculty at University of Kwa-Zulu Natal and served as a Director to the United Nations University International

Leadership Institute, Amman, Jordan from 1994-2008. Dentists that attended the event were also eligible to obtain for 4 CPD points as part of the CPD programme. Both events were held attended by UWC Alumni and insightful discussion with respect to challenges in the different professions were raised.

In keeping with the theme of the ‘Lead from where you are’ the Faculty of Economic and Management Science also partnered with the Alumni Relations Office on their Deans Merit Awards Ceremony.

The Alumni Office invited EMS graduates to be part of a panel of alumni aimed at encouraging and responding to questions that the top EMS students had as they prepared for the working world. At the event the Alumni Coordinator called on graduates to continue the relationship with the University through its mentorship programmes, post graduate studies and joining the Alumni Association.

The next ‘Lead from where you are’ event will be held in partnership with the School of Pharmacy in April 2013.

A NEW IDENTITY FOR ALUMNI In 2012, the Alumni Relations Office launched a new brand identity for UWC Alumni. The new logo was designed to mirror the architecture of the University’s dramatic portal to the Main Square. It is through this columned archway that students enter for Orientation in their first year; and the one they exit into the world after Graduation. From inside the Square one sees a pyramid mound topped with a cypress tree. This feature has been transformed into a flame of knowledge. A motto was created for Alumni that embodies UWC Graduate attributes: Pride, Engagement, Legacy.

ALUMNI MARKETING, PUBLICATIONS AND COMMUNICATION In 2012, the Alumni Relations Office launched a new brand identity for UWC Alumni. A new logo mirroring the architecture of the University’s front portal where students enter and exit through the pillars of the University. The logo symbolises every student’s educational journey from the beginning to graduating and entering the world as a UWC alumnus. A brand was also developed for the Alumni ‘Lead from where you are campaign’ which was used on all alumni publications, marketing material etc.

The latest Alumni and ‘Lead from where you are’ logos were used in various marketing initiatives to promote the Alumni Association. These marketing initiatives range from alumni membership brochures, alumni recruitment emailers, alumni email-signatures, website banners, and social media banners, branded invitations and alumni posters and a newly designed Alumni ‘Lead from where you are’ clothing range. The clothing range includes various t-shirts, vests and hoodies.

The Alumni Relations Office was in regular contact with alumni through its alumni database via email and Facebook.

Communication included invitations to events, calling alumni to join the alumni association, sharing the Alumni newsletter, updating alumni about important university news. The Alumni Relations Office has experienced much more interaction with its alumni because of its increased engagement. There has been a boost in the number of alumni that are visiting the Alumni Relations Office whether for assistance or queries, to sign-up or simply to have a chat about old times.

Publications

• Newsletter In May 2012, the Alumni Relations Office introduced the very first issue of the Three Sixt-e Alumni Quarterly Alumni Newsletter.

A total of three out of three quarterly issues were produced and distributed in e-format to the Alumni Database and in print version to alumni at events and on campus. The Alumni Relations Office partnered with the EMS and Dentistry Faculty for the second and third issue of the newsletter respectively. The partnership was aimed at strengthening the relationships with different faculties whilst showcasing the faculty’s achievements and its alumni’s success.

• Magazine The Alumni Relations Office provided input and information for the 360 Perspectives Magazine that features a combination of alumni profiles and the University’s progress. The 360 magazine will be distributed in e-format to the Alumni Database in January 2013.

During 2012, the Alumni Relations supported Club 99’s annual Langarm Dance. Club 99 is an UWC Alumni interest group that raises funds for student registrations and bursaries. The Club 99 Lang Arm dance was held on 14 July 2012 in the Main Hall and was well attended by alumni.

The Alumni Relations Office also partnered with the Kings of UWC interest group to host the King of UWC Soccer Tournament.

The soccer tournament creates a platform for alumni and current students to come together and challenge each other in a soccer match. This is not only an opportunity for a fun filled day but also to encourage networking opportunities amongst alumni and students. Through the entry fees for each team the Kings of UWC raised a total of R2 500.00 that was donated to the UWC Alumni Association.

Further exciting events included the UWC Golf Days held in Cape Town and Johannesburg last year. The Alumni Relations team assisted in marketing the events amongst its alumni and providing alumni an opportunity at the golf days to

join the alumni association. An important spin-off of this event was a generous pledge of R1 million made by an alumnus and chairman of the UWC Gauteng Alumni Chapter to the Maths and Science programme.

ALUMNI SPONSORSHIP The Alumni Relations Office partnered with PPS on the ‘Lead from where you are’ campaign and received a R60 000.00 sponsorship to host three ‘Lead from where you are’ dialogue events. Two events were held in 2012 and the third one will be held in April 2013 in partnership with the School of Pharmacy. Further sponsorships in support of the Kings of UWC Soccer tournament, includes receiving R2 500.00 worth of Puma Gear, 16 T-shirts, Puma Soccer balls from YES Cool drinks and 3 x one hour use of the 5 V 5 Football facility from the football facility.

ALUMNI DATABASE A key priority for the Alumni Relations Office is to constantly improve the quality of the Alumni database. The quality of the alumni database is critical for the effective communication and engagement with alumni. In 2012, the Alumni Relations Office contracted and external company called Intimate Data to enhance its records.

A total of 128 537 records were processed.

A further enhancement of the database included importing of staff and student records to the total of 20 356 records and updating of 4 500 graduation cards on the alumni database. Academic qualifications dating back to 2010 was also imported on to the alumni database. Records are continuously updated as new information is obtained.

Operations & Events OVERVIEW The Operations and Events Unit has two functions: Operations - to oversee and implement administrative and systems support for the IA department; and Eventing - to co-ordinate and/or monitor all UWC events.

These functions represent the University’s brand in action and support the UWC Institutional Operating Plan, with specific regard to goals 4, 5 and 6.

OPERATIONS The Unit manages human resource and financial issues, as well as general office operations; and ensures that protocols and procedures are followed to support excellence through best practice.

FUNCTIONS: The work of the Operations team includes: • Human Resources Record Keeping • Wage negotiations • Re-grades in conjunction with Human Resources Department • New staff orientation • The re-alignment to new reporting lines • Managing absenteeism and overtime • Monitoring the Department budget

• Securing office space for the Operations, Events, Alumni and On-line media Units • Arranging Training logistics • Alumni data management • Monitoring of stock Items • Managing suppliers • Transport • Establishing and upgrading service level agreements OPERATIONAL CHANGES & ACTIVITIES 2012 saw the development of a number of processes and systems taking shape in the newly-formed IA Department.

Changes were also managed with regard to office space reallocation on campus, realignment of staff and reporting lines and filling vacant positions; as well as placing interns in positions within units.

The Operations and Events Unit moved from the central IA office in the Rector’s building to the Senate Building provide space for the growing staff compliment; and to create and office space for the mid-year arrival of the new Donor Relations Manager.

As part of this process – and in line with the realignment of staff – the Events function was moved to Operations, as was

the Online team, who also took an office in the Senate building to accommodate three new staffers.

However, by late 2012, the functions of Online and Alumni became Units in their own right and the coordinators began reporting directly to the PV-C. The realignment of roles in the IA Department also saw the vast portfolio of the Communications and Marketing Manager split into two functions: Media and Media, and Branding and Marketing.

Training included staff attendance at the Chief Marketing Officers’ Conference, the Inyathelo up-skilling workshops, and the annual MACE conference. A Brand Workshop and a Communications Workshop were also facilitated internally and all IA staff attended.

EVENTING The core business of the Eventing team is to coordinate and advise on all academic and cultural events at UWC that include Public Lectures and International conferences, Meet & Greets, donor functions and University showcase events such as graduation and orientation . The

unit is also dedicated to supporting the executive and senior management of UWC with regard to conceptual, logistical and roll-out of functions.

In 2012 the Unit was involved with close to 300 events both on and off campus.

FUNCTIONS: The functions within Eventing are many and varied and require collaboration with a number of internal service departments, dignitaries, local authorities, State officials and departments, service providers, organisations and the public.

To manage, monitor and evaluate events, the Unit put a number of protocols and processes in place during 2012. Those that were already in place, were fine-tuned to ensure maximum efficiency on delivery.

The initiatives rolled out in 2012 include: The Operations and Events Communication Centre A Communications Centre was established to integrate all service departments of UWC to ensure, among others: that all events meet required policies, protocols and standards, such as venue booking, security, cleaning services, parking, branding of

venues, staffing, liaison with guests, research of guests, cultural expectations and dietary specifications, refreshments for speakers and guests, dressing of venues, catering, creating special areas for highend visitors, engaging with international, national and regional organisers; and that all Risk and Compliance documents are completed for the City of Cape Town.

2013 PLANS The Operations and Events Unit will continue to evaluate existing process and refine and streamline these in consultation with stakeholders.

Key objectives include: • Developing a comprehensive portfolio of all events that can be shared through Online Media by way of a picture gallery and listings.

• Update the Current Event Project Review process • Develop the Event and Protocol Policy at Project Management level • Networking with external stakeholders to develop partnerships in order to bring external events onto campus • Develop and implement a quarterly Review Process • UWC Communication – Rational is to inform and centralise the Campus • To coordinate with other departments to provide an after-service that includes videos, assessment/evaluation forms and surveys • Develop a standard for reporting financials for all events.

A Faculty / Academic initiative aimed at conscientising stdents about Health.The Campus Recreation Month at UWC will consist of various fun filled events.It will include fitness programmes, adaptive sport tournaments that will allow for the inclusion of students with disabilities, mental games, cultural performing art events, environment awareness events and healthy eating programmes. These programmes aim to create an awareness amongst the campus community as to what services could be offered, sustainable programmes on campus and to inform them of the various forms of active recreational activities that they can participate in.

An expo showcasing student entrepreneurship projects. The aim is to reflect on the practices and challenges of entrepreneurship and to promote academic and research practices.UWC Entrepreneurship Colloquium which is a collaboration of the Entrepreneurship Initiative with the EMS faculty over two days, listening to renowned speakers, entrepreneurs, academics, guests from the DHET, and others.

The Dept of Science and Technology introduceda dedicated postgraduate programme for the training in nanoscience and nanotechnology.

This new Masters degree programme in nanoscience and nanotechnology is offered concurrently at Nelson Mandela Metropolitan University (NMMU), University of the Free State (UFS), University of Johannesburg (UJ) and the University of the Western Cape (UWC). The programme marks the introduction of a new system of collaboration between universitities, where four South African universitites are simultaneously presenting the same Masters degree.

Hamit Bozarslan was born in Diyarbekir, the main Kurdish city in Turkey.Dr Bozarslan is the author of the Kurdish Question: States and Minorities in the Middle East (French) as well as of numerous articles dealing with Kurdish identity, society and politics; and their historical and contemporary relations with Kemalism and international geopolitics.

Dr Bozarslan is currently Associate Professor at the Ecole des Hautes Etudes en Sciences Sociales in Paris; where he is researching topics relating to political ans social violence in the Middle East.

At this event UWC will be allowed to set up our branding and the announcement will be mentioned regarding the partnership between UWC and the Harold Wolpe Memorial Trust which will happen annually as from 2013. IA will assist with RSVP’s and minimal logistics. UWC media will be required to capture the essence of this event.

Convocation will be honouring the Executive members of Club 99 for their contribution to the Fundraising for UWC. This will be in the form of a certificate of appreciation ceremony done on the evening.

Communications & Media Relations OVERVIEW The Communication and Media Relations Unit (C&M) works broadly across the University to raise the overall visibility, media profile and to coordinate mediarelations activities for UWC. C&M executes four main functions comprising of • Internal and External Communications • Media Relations • Publications and Risk assessment and Management (publicity).

The team in 2012 comprised 4 intern writers/publicists on contract, 1 Alumni writer on contract, 1 Production Editor on contract and a Communication & Media Coordinator. The 2012 team grew from a small team of two writers and 1 Media Liaison in 2011 who carried the unrealistic task of servicing the entire institution under the former unit Communications & Marketing.

C&M is the University’s principal representative to local, regional, national, and international media organisations. In addition, C&M provides Faculty and other members of the UWC community with media-relations support, including assist with creating and placing op-eds, press releases, letters to the editor and media training.

C&M continues to leverage the channels of University Communications to execute communication strategies in support of various client portfolios and most importantly, the University IOP goals with a specific focus on goal 6.

Through effective use of messaging, media relationships, research and events, C&M will continue to promote UWC throughout Cape Town, South Africa and the world.

ROLES Internal communication C&M plays a fundamental role in building a communication culture at UWC. E-mails are sent out to highlight achievements, upcoming events and any crisis/risk communication. As part of communicating with the campus C & M have used the web platform effectively for upcoming events. IA’s Marketing Unit has extended this by including posters and flyers as part of a strategy to build morale and interest internally and with our various stakeholders.

Exhibition boards have been placed in the foyer of the Rectorate to update staff and students on UWC events, images and stories in the media.

It is, however, clear that C & M is at the beginning stages of building an Internal Communication Strategy which will explore technological developments and platforms that can be used by the UWC campus to start conversations and build a culture of a bottom-up communication system approachand not rely on a top-down approach.

Publications Online Campus The On Campus is a monthly publication featuring news, highlights, events and research. The publication is sent out to over 19 000 students and staff via e-mail;, to more than 15 000 alumni via e-mail; and 2000 copies are printed and distributed to the Executive, Deans and other key stakeholders such as the Chancellor and the Chair of Council. The print run has dropped over the years due to of cost saving strategies which has also made it impossible for C & M to distribute the publication to libraries within the Western Cape Region as was done previously. Five editions/issues were produced in 2012 with some months combined.

360 Perspectives Magazine The 360 Perspectives was born from the merger of 360 Degrees Alumni Magazine and the Perspectives Magazine. The decision to merge the two publications came about because of the office not having the resources and financial capability to produce and distrabute two glossy magazines. However the distribution of the 360 Degrees still remains a costly exercise, requiring postage to more than 30 000 Alumni. For 2013 an 84 page publication featuring alumni, research and great UWC achievements and developments was published.

Global Education News The Global Education News is an 8 page publication that highlights research, innovation and possible partnerships in higher education around the world. The Global Education News publication is e-mailed to all academic and support staff on campus. Its main role is to update staff on international developments, invigorate internationalisation and partnerships across campus. 2012 brought a number of challenges in sending out the publication via mail. The ICS Department was not supportive in making the online communication platforms easily accessible for C&M. In 2012 IA did, however, approach the new ICS Director for assistance in creating platforms that can be used in communicating IOP messages and Institutional information.

Alumni Newsletter The Three-Six-tee Alumni Newsletter was launched in 2012 and 3 editions were produced and sent to more than

15 000 Alumni via mail; 2000 copies were printed and distributed on campus and also sent to key stakeholders. The Alumni newsletter features various Alumni from across the globe and each edition places a special focus on the 7 faculties. The Alumni newsletter is aimed at updating Alumni with current developments at the institution and is also aimed at profiling Alumni with the intention of fostering institutional pride. Alumni Relations Office is C&M’s client for the newsletter.

Media Relations One of the office’s primary goals is to place stories and mentions about UWC and its stakeholders in the media, including media platforms such as newspapers, magazines, wire services, web, and broadcast TV and radio. These placements—also known as “hits”—have climbed steadily since the Media Liaison service was established in 2008.

Using the Newsclip media monitoring service, the office documented 1637 hits between January 1, 2012 and December 31, 2012.

C&M staff achieves these numbers by showcasing current on research and scholarly activities at UWC; identifying established and emerging faculty experts and opportunities to promote the University as a leader in higher education; Another way in which C&M attains these high ratings through building relationships with individual media contacts, knowing their editorial needs, and making them aware of UWC stories and experts that meet those needs.

Media planning has improved since the introduction of the events master sheet in 2011, but there is still a long way to go in encouraging the campus to supply us with the information needed to create press releases, to put together communication plans for the various events, research announcements and general developments on campus. The University has begun to be more strategic in the way it responds to communicating with the media and the public at large. The University community howeverstill lacks the understanding of how important it is to communicate quickly, smartly and efficiently in order to avoid no communication, negative publicity and perceptions. C&M helped field media calls, arranged interviews and began leveraging existing media contacts (and making new ones) to get the word out and position UWC as a top contender in research, technology and raising topical issues that impact the country and the world.

TV& Radio interviews have grown from being an occasional occurrence to a regular part of the C&M strategy, relationships with television and radio have increased and bounds. C&M has developed relationships which saw UWC hosting more than 6 live radio broadcasts from conferences and events on campus during the year on Goodhope FM, Radio Zibonele, Bush Radio, SAFM, Radio 2000 Radio Sonder Grense and Umhlobo Wenene. Each live broadcast cost more than R150Â 000 on a national radio station, but through our partnerships we have managed to receive these for free.

UWC academics have been featured on radio and television to give their opinion and

expertise on various subject matters. UWC events featured on radio and TV has doubled in 2012 as apposed to 2011.

The value of UWC in news print, television, radio and online news through the C&M team is R51 million. UWC reach has increased tremendously and most is seen monthly in a positive light. The IA team has advanced logistically, strategically and is capable of mobilising media literally within mere hours of the event. The visit by US Secretary of State Hillary Rodham Clinton and the memorial service of the late Professor Jakes Gerwel, are but 2 examples.

Corporate website and social media The UWC website is used as a tool to feature UWC news, announcements and events.

C&M also updates the social media platforms of current events and report events minute by minute on platforms such as Twitter and Facebook. C&M also uses the websites of radio and community boards to feature upcoming events. Social Media is growing at a rapid pace. The platform, however, also produces a threat and opportunity for institutions of higher learning as these open platforms allow people t communicate freely, falsely or positively about UWC. Monitoring, Evaluation and Reporting C&M has developed new systems such as Communications Plans for each event, announcement, research etc. Communication and Media have developed feedback slips for our clients, in order to measure and improve service.

Weekly reporting has been done in the management meeting with the PV-C.

• The Dullah Omar Memorial Lecture was broadcast on Radio 2000 – a national radio station with a listenership of over a million – and was covered nationally by newspapers and television.

• The Chancellor’s Inauguration was broadcasted live on Radio Zibonele to all Cape townships, and was covered nationally by newspapers and television.

• The UNASA Conference was broadcasted nationally (and live) on SAFMs Afternoon Talk.

• Two successful press conferences were held for the Hangberg Peace Accord and for the return of Prof Sean Davison.

• The Art, Law and Science faculties received the most publicity in the first quarter of 2012.

• A documentary of a UWC graduation ceremony was played on a programme called Cutting Edge on SABC 1.

• The Clinton speech was broadcasted live on ETV news Africa.

UWC REPUTATION IMPACT The majority of publicity received in 2012 was positive, However, a few events at UWC attracted negative publicity these include: • The SRC elections • Gay student’s assault.

• UWC Kovacs Residence pricing.

• Professor Khanyile, nursing The negative publicity in 2012 is less than 1% of the overall publicity received.

2013 Plans: • Creating online and print Expert List.

• Communication and Media is in the process of employing a Health and Science writer and an Alumni and Sport writer, who will focus on the research in these departments and faculties.

• Communication and Media will create a platform for the Psychology Department to be part of a community radio show and a Cape Town TV show, so that they will be able engage directly with the public and share their expertise.

• There will be a focus on Niche Magazines in order for the University to build a solid relationship with special interest readers.

• Communication and Media to upgrade publications and be consistent in meeting deadlines for 2013.

• Unit strategic operations plan to empower the department and will be designed to enable the institution to be able to meet the demands of a changing environment on campus.

• Partnering with SAFM on key programmes such as the literature show for Arts Faculty, The Talkshop, for interesting topical research and issues and Morning Talk.

• Communication and Media also created a new relationship with SABC’s Channel Africa which will air on heritage issues, business and disability rights.

Marketing & Branding OVERVIEW The Marketing Unit within the Department for Institutional Advancement is responsible for: • Driving the UWC Brand identity in alignment with the Institutional Operating Plan (specifically Goal 6 but in support of all Goals) through: • Advising Departments, Faculties, Departments, Units and Administration on Best Practice • Assisting the above wrt events, print and other marketing and branding collateral • Engaging with external stakeholders wrt advancing the UWC Brand • Actioning specified activities/campaigns • Production of specific marketing/branding collateral to advance the UWC Brand Identity FUNCTIONS The Marketing Manager is responsible for: • Producing a weekly report on activities & outcomes (with accompanying documents) to the PV-C at the Managers’ Meeting • Convening a monthly Faculty forum (FEB – NOV) to engage with marketing • Maintaining a catalogue of all UWC marketing material electronically and in hard copy (where possible) • Producing a marketing strategy to drive key messages and the goals of the IOP • Developing and rolling-out an action plan to brand and market UWC excellence and niches.

With the emergence of a legal and Technology Transfer Office on campus, this draft needs to be redrafted to fully protect UWC Brand identity.

MARKETING & BRANDING TEMPLATES Templates for stationery; logos; images; and brand material were made available on S-Drive in January; with simple instructions to all users on how to access material.

However, users without design skills, have experienced difficulty in accessing the drive and using the material. Plans are being made to move this material to the web to be accessed by password-cleared users.

MARKETING & BRANDING GUIDELINES MARKETING & BRANDING FORUM Individual and small group sessions took place but the launch of the planned UWCunited “IA Communications & Marketing Forum” was postponed to 2013.

However, despite no formal forum, IA Marketing input and services were in great demand by UWC academics and services across the board.

One of the first campus-wide marketing collaborations did run throughout the year, managed by IA and the Student Enrolment Management Unit. See SABC/HSM campaign below.

MARKETING IMPACT EXTERNAL (ADVERTISING)

MARKETING CAMPAIGN SABC/HSM A radio and print advert campaign coordinated by IA Marketing and the Student Enrolment Management Unit (SEMU) during 2012 represented the first time that all Faculties united to support a marketing exercise both financially and creatively.

SEMU ran the radio advert campaign on five radio stations with a specific objective of targeting listeners for recruitement.

The IA print campaign in Highbury Safika loyalty magazines served as a generic brand awareness campaign across demographics, audiences, and sectors. This campaign was designed to secure a foundation for advancing the UWC Brand identity. From 2013, campaigns will be focused on specific outcomes.

I’M GOING PLACES: Bumper stickers with the tagline: I’m Going Places! WENA? (and you?) were produced to literally take the UWC Brand identity on the road.

MARKETING PLATFORMS Electronic info booths, airport advertising, PrimeMedia billboards were explored as options for advertising. However, while these would definitely be effective, special funds will need to be made available through collaboration or sponsorship.

AGENCY-ASSITED CAMPAIGN: IA revisited the option of bringing Brand Agency Boomtown on board to assist with devising a unifying campaign for UWC. After brainstorming and finalising objectives, it was agreed that IA would work with Boomtown in 2013 to activate one Post Graduate campaign and one general Brand campaign.

BRAND/MARKETING ACTIVITIES IA Marketing engaged with a variety of stakeholders both on and off campus throughout 2012, advising, workshopping, producing, coordinating, strategising and planning around Branding and Marketing activities. Highlights include: • Re-branding of Risks & Assets Vehicles/ logo • Strategy/activation for PHA3 event: • Design and production of reusable Water bottles • Creation of a media and marketing venue

Rugby/Golf: • Marketing concept for Rugby alumni Orientation: • Concepts for prime marketing and useful items for new student goodie bags IA Brand/Writing Workshop: • To bring IA on board with importance of Brand ID, the role we play; and writing for media Jakes Gerwel Memorial: • Service programme wording • Banners • Video scripting and editing production of event 2013 PLANS 2012 could best be described as igniting the spark of Brand Awereness within UWC and in the public mindset through a wide range of activities and campaigns.

2013 will see a more structured and focused approach to Branding and Marketing, with a clear objective of advancing a consolidated brand identity internally; and marketing Post Graduate studies externally.

Central to this will be two internal and two external activations, to be rolled out in conjunction with the Boomtown Brand Agency.

Internal activations aim to grow UWC pride and grow internal brand ambassadors and to encourage current student retention for post gradute study.

External activations will awaken UWC excellence in the public eye; attract Alumni pride; alert potential donors, employers and partners to UWC as an investment option; and encourage students in the region. to choose UWC for post graduate study options.

Internally, activities, publications and creative and consultative energies will be focused on legitimising the UWC Brand elements; creating UWC-approved guidelines and protocols; and bringing all communications, marketing and branding roleplayers on campus together through and Institutonal Advancment Brand Forum.

IA Branding and Marketing will specifically invest branding and marketing actions in Sport and Nursing to support key donor projects.

OVERVIEW On the 23rd June 2011 Wesley Diphoko (Online Co-ordinator) submitted the first UWC Online Report that highlighted challenges and solutions to challenges experienced with the university website.

The Content Management System (CMS) and the lack of Content Management Team were highlighted as key challenges.

In the report it was recommended that Sharepoint be implement as the institutional Content Management system and a unit be established to oversee content management of the website.

In 2012 some of these recommendations were implemented in the form of Sharepoint implementation as the Content Management System.

Significant amount of time was spent with the project team to provide support with the implementation of the Sharepoint Content Management System.

In an attempt to provide necessary content management an online team was established.

The team members consisted of 2 interns provided by EOH and 1 contract candidate.

The Online Team has been instrumental in the process of establishing the Sharepoint Content Management System.

Through the online teams support now the university has 1260 followers on Twitter.

Now through the support of the online team the university has a new Sharepoint  Content Management System that is ready to be launched to the public.

The challenge that remains is the lack of content management support to oversee management of content on the new website.

NEW UWC ONLINE CONTENT TEAM The New Online Team members were part of the Institutional Web project and have

Online significantly contributed in the process of developing the new UWC Website.

Since April 2012 the Online team has been working with the contracted company Intervate to implement the Sharepoint Content Management System.

The role of the Online team has been mainly to : • develop guidelines for Intervate • explain and interpret university requirements • develop content guideline • assist with university consultations with Intervate • guideline with the look and feel of the website • ensuring that the website meets the university expectations in terms of image and content • facilitate support for content owners The Online team has seen to it that all entities of the university are represented on the website.
