To feel proud to belong to Penrhos College. To have property respected.

RESPONSIBILITIES Every person has the responsibility To treat others with respect and dignity. To refrain from hurtful behaviours. To respect another's right to hold and express an opinion. To contribute to a positive learning environment. To do one's best in all aspects of learning. To participate actively in College life. To maintain a clean, safe environment. To honour the values of Penrhos College. To respect the property of every member of the College community.

EMPLOYEEE CODE OF CONDUCT POLICY The aim of this Code is to outline the standards of behaviour required of all employees, volunteers and contractors of Penrhos College. This Code does not attempt to provide a detailed and exhaustive list of what to do in every aspect of your work. Instead, it provides guidance about behaviour, relationships, attitudes and responsibilities expected of employees. The policy aims to ensure the highest possible professional standards from all employees and ensures that employees know the legal and ethical obligations that arise from working within a school.

Penrhos College is committed to providing a child-safe environment which safeguards all students and is committed to promoting practices which provides for the safety, wellbeing and welfare of our children and young people. As a school, we are in a unique position of responsibility and authority and must make every effort to make sure that our school does 9|Staff Handbook 2022

provide a child safe environment. Teachers in particular are of primary importance when it comes to detecting abuse and preventing abuse from occurring.

The College expects all school community members including staff, volunteers, students, visitors and contractors to share this commitment. This Code of Conduct is a major component in the College’s provision of a child-safe environment.

The Code places an obligation on all employees to take responsibility for their own conduct and to work with colleagues cooperatively to achieve a consultative and collaborative workplace where people are happy and proud to work and where actions and interactions are guided by the College Values. This code contains links to many of detailed policies and procedures. Where you are unsure of detail or want more information, click on the appropriate links.

Under Principle 5, Maintaining Professional Relationships between Employees and Students, there are links to our Child Safe Program. It is important that you do read these policies in detail to refresh your knowledge on the key aspects of our Child Safe program, including Child Abuse, Reporting Requirements and Professional Boundaries.

By accepting employment with the College, you must be aware of, and comply with this Code.

Therefore, you must: • • • •

conduct yourself, both personally and professionally in a manner that upholds the ethos and reputation of the College; comply with the College’s policies and procedures; act ethically and responsibly; and be accountable for your actions and decisions

The full document will be circulated to all Staff members via our online Staff Learning System during Term 1 Professional Development Days each year, for reading and acknowledging acceptance. The full Code of Conduct is available to staff via CompliSpace and to the wider community via our public facing website.

STAFF DRESS CODE All staff employed at Penrhos College are required to maintain a standard of dress, which is appropriate, and professional at all times.

Female staff members must ensure that the length of their skirts/dresses model the knee length requirement for the girls and that tops are not too revealing. Strappy tops are not deemed appropriate, nor are tops that reveal midriff – even when arms are raised. Jeans and shorts are not considered appropriate. Flip flops, backless and thong-like shoes are not acceptable forms of footwear.

Male staff members are not required to wear a tie in the summer months, but collared shirts are required. Shorts may be worn but not with runners. During the winter months, a tie must be worn or alternatively a polo/turtle-necked jumper with a jacket. Jeans are not considered appropriate.

Sports clothing including joggers is not deemed appropriate for teaching staff on normal school days other than those involved in Dance or Physical Education activities. The Dance and Physical Education Departments have a dress code available from their respective Coordinator or Head of Department.

On days when Inter-house swimming and athletics occur, it is acceptable to wear appropriate casual dress however at Interschool events the normal dress standards apply.

Obviously common sense must prevail – but all staff – teaching and non-teaching are asked to maintain high standards of dress commensurate with the College’s expectations of professional attire and workplace safety.

If you have any queries, please see the Dean of Teaching and Learning or refer to the Code of Conduct.

DUTY OF CARE The traditional view in Common Law is that a teacher is to take care of the students in the teacher’s charge as a careful parent would take care of his or her own children and that the standard of care is that of the reasonably prudent parent.

The onus is on the school to ensure that adequate rosters and procedures are put in place to reduce the risk of injury to students because of lack of supervision. Teachers assigned to supervision duties must closely and directly supervise children under their care. Failure to do so renders the school liable for negligence.

Duty of care is a legal requirement.

For our purposes at Penrhos College duty of care is implicit in the teacher/student relationship under the following circumstances: 1. 2. 3. 4. 5. 6. 7.

Classroom Teaching/Form Time Excursions Out of class activities Relief Roster Supervision Grounds Duty Before and After School Bus Duty Camps / Tours

SENDING STUDENTS TO THE HEALTH CENTRE Make yourself aware of the procedure for sending the girls to the Health Centre. Generally, send the unwell student to Secondary Reception to obtain a slip, the student then proceeds to go to the Health Centre. For cases of increased need, the unwell student should be accompanied by another student to the Health Centre or in case of an emergency the teacher is to remain with the unwell student and a student runner sent directly to the Health Centre for assistance. Health services can be accessed by staff at any time should they be feeling unwell.

STAFF DUTIES Our “Duty of Care” requires teachers to be actively supervising students before school, during recess, lunchtime and after school. Therefore, it is a requirement of staff that you walk around your respective duty area and interact with students to enforce the school rules. Duty is the priority. All staff are required to be at their respective duty on time. Duty takes priority over other events that may occur during the school day.

Duty Before School Duty Recess Duty Lunch Duty A Lunch Duty B DAY CONCLUDES After School Duty HORIZONS BUS DEPARTS • • •

Time (Normal Day) 8.10am – 8.30am 10.40am – 11.00am 12.50pm – 1.10pm 1:05pm – 1.25pm 3.15pm 3.15pm – 3.35pm 3.30pm

Please be actively supervising while walking around your respective area and be readily accessible to students. During summer, if students are not in the shade of a school building they need to wear a hat during lunchtime and recess. This can be their straw hat, bucket hat or sports hat. Please actively encourage students to wear their hats. Litter is a constant headache! It is the students’ responsibility to keep the school free of litter. While you are on duty please remind students to put their rubbish in the bins. Handing out rubbish bags to groups of students has proved to be a successful strategy. Plastic bags are available from the Secondary School reception. If there is litter on the ground please direct a student (any student, as the culprit may not be known) to pick it up.

ALL DUTY TEACHERS SHOULD: • • • •

Understand your respective duty so that all areas are supervised Arrive at your respective duty on time Pass through duty areas, checking to see that all areas have a duty teacher present. Actively walk around the designated area.

• • •

At the completion of your duty please assist other duty teachers if they have indicated that they need assistance with moving students to class. If you see a student using their mobile phone/iPod during recess, then please confiscate and hand the Michelle Taylor or Tracy Hosking via Secondary Reception. Should you become aware that a staff member is not doing their duty, please email the Dean of Academic Administration where this matter will be followed up with the individual staff member.

ABSENCE FROM DUTY – ROVING/RELIEF DUTY TEACHER • • •

• •

All staff members are expected to complete their duty allocations and be on time to their duty. DUTY IS PRIORITY. Duties form part of a teachers load, and staff members are expected to complete their duty requirements. It is not acceptable that staff miss their duties due to going off campus, seeing students during their duty time, forgetting or other miscellaneous reasons. If a staff member is off campus due to leave, camp or professional development then you must submit a “leave form” 5 days prior to the date. The absent teacher must initiate and organise a duty swap with another staff member so that their duty is covered. If the absent teacher is unable to make a swap, then they must email the Roving/Relief Duty teacher to indicate that they will be absent. In the event of a number of staff being absent on a duty roster time, to ensure there is enough cover it is advised the Roving/Relief Duty teacher to email the Dean of Academic Administration (DoAA). Additional staff will be organised by the DoAA. If multiple staff are absent (swimming carnival, day 0’s etc) the DoAA will allocate duties to other staff members to meet the requirements.

Please refer to the Duty information emailed annually by the Dean of Academic Administration.

34 | S t a f f EMERGENCY PROCEDURES

Handbook 2022

EVACUATION/LOCK IN Please access Complispace and read the Evacuation/Lock In policy. If there is any section that you are unsure about please see the Dean of Pastoral Care, HR Manager or one of the OSH Coordinators.

Staff and students will be in serviced on the sirens for each procedure. There will be one scheduled procedure during Term 1 where staff will be notified of the date and time and two un-scheduled procedures during the remainder of the year.

Please refer to OSH Coordinators if you have any questions.

PROCEDURES FOR SCHOOL EVACUATION GENERAL The evacuation siren indicates a whole-school evacuation. The evacuation will proceed even if the siren ceases. Any other instructions regarding the emergency situation will be given via messenger and / or the public-address system. The situation will be re-assessed by Key Personnel as the evacuation occurs in order to maintain safety of students and staff.

CLASSROOM TEACHER INSTRUCTIONS The following instructions outline the procedures to be taken when an evacuation is sounded while a teacher is with a class. • • •

•

Note the evacuation route to the assembly area and inform students (evacuation route is located behind the door of each room) Assemble all students in the class ready for evacuation After appraisal of any immediate threat to student or staff safety, evacuate students to the assembly area with the following instructions: o Cease work o Leave all books and computers in the room o Quietly and orderly leave the room and proceed directly to the evacuation assembly area o Be alert to instructions from Staff members during the evacuation – it may be necessary to take an alternative route to the assembly area o Do not run o Upon arrival at the evacuation assembly area, locate your Form Teacher and line up in alphabetical order in form groups. Ensure ALL students have evacuated the classroom. There are no exceptions to this.

35 | S t a f f H a n d b o o k 2 0 2 2

•

• •

Collect a ‘check’ sticker from the drawer of the teacher desk. Close the classroom door, lock it AND affix sticker. Affixing the sticker means that the room is clear of students and staff and is locked. If no sticker is affixed to the door, it will be checked later by an Area Warden. Proceed to assembly area while overseeing orderly student evacuation Once at the assembly area, complete duties outlined for Teaching Staff without Form Duties or Form Teacher Duties

TEACHING STAFF WITHOUT FORM DUTIES In the event of an evacuation the role of teaching staff without form duties is to: • • • • •

Proceed to the evacuation assembly area while overseeing orderly student evacuation Report to area consistent with: Junior School assembly area (JS Staff) Form Assistant duty Undertake any role given by Head of Year

NOTE •

•

Physical Education and Outdoor Education staff who are Form Teachers may be involved in Area Warden duties. These staff will be delayed and their role in checking student attendance should be covered by a Form Assistant, designated by the Head of Year. If a Form Teacher be absent, the Head of Year will nominate a Form Assistant to check student attendance.

EMERGENCY IN YOUR CLASSROOM • • • •

If the emergency takes place in your classroom or affects your classroom in part, you are to: evacuate the classroom using the safest possible route ensure that the nearest reception area is informed proceed to the evacuation assembly area if directed

TEACHER RELIEF FOR ABSENT STAFF The College is committed to keeping the number of relief classes that general teaching staff cover to a minimum. When this is not possible due to the number of teachers absent, every effort is made to employ additional external relief teachers or pay part-time staff who may be willing to cover classes. Full time teachers will not receive additional payment for relief lessons.

When it is necessary for teaching staff to cover relief classes, they will be allocated on the basis of their position in a priority order i.e. • • •

Where a teacher is next in line to complete a relief based on the number already done during the year. Where a teacher may have a cancelled class due to excursions or camps and supervises in place of the teacher taking the excursion or on camp. Where a full- t i m e teacher may receive an uncounted relief because their teaching load is less than full time i.e. 24 periods per cycle

Relief lessons will be allocated equitably based on the loading of a teacher. Part-time teachers will be able to indicate those times they are not available for reliefs on the basis of their part time load. Please provide Maddison Taylor-Gillett with a copy of your timetable indicating your availability also indicating your DOTT allocations.

Every effort will be made to allocate relief lessons to teachers only when they have more than one non-teaching period in a day. For some staff this may not be possible due to the structure of their timetable. In these instances, the staff concerned will be able to nominate appropriate periods for relief.

Where possible staff from within the department of the absent teacher will be used to cover absences. Staff will be notified as far in advance of any reliefs as is practical.

As a matter of course, each day on arriving at work check your Compass Timetable by 8:15am for additional relief classes that will show up here.

If you have a duty during your absence, please arrange a swap with another staff member. If you have any issues email Patrick Moore mooreP@penrhos.wa.edu.au . 44 | S t a f f H a n d b o o k 2 0 2 2

TEACHERS REQUIRING SUPERVISION OF CLASSES SHORT TERM NOTICE Staff are to; 1. Call the Staff Relief phone on 9368 9643 which will leave a message for the Dean of Teaching and Learning, Nicole Blyth and the Admin Assistant Teaching & Learning, Maddison Taylor-Gillett. 2. Upload relief lesson instructions to the ‘Teacher Notes’ section of each class page depending on which you will be missing. 3. If you can’t upload to Compass please email the relief instructions to cover their absence to Nicole Blyth blythn@penrhos.wa.edu.au; Maddison Taylor-Gillett gillem@penrhos.wa.edu.au and your Head of Department. An email reply will be sent to the staff member confirming the information has been received and cover organised. Early notification allows for external relief teachers to be contacted when necessary and sufficient notice for staff who may be required to take a period 1 relief. Please ensure your relief instructions are clear and detailed to ensure the students are as actively engaged in learning as possible in your absence. If your personal circumstances warrant, (absences of more than one day) please do not hesitate to contact Dean of Teaching and Learning, Nicole Blyth directly at work 9368 9691(7.45 am onwards) to discuss any matters. Nicole can be reach on her Mobile 0412 007 469 if necessary after hours. Staff should not send work that requires printing, please send any printing requirements to your HoD. Please note that subject specialist staff cannot be guaranteed when allocating reliefs and thus appropriate (e.g. no practical) work must be set. If you are unable to set relief work, please contact your Head of Department who will complete this role in your absence. Staff who call in absent must complete enter in their leave via OrgView on their return to the College and submit this for approval If you are sick for more than 2 consecutive days, you will be requested to upload a medical certificate. For instructions on how to enter your leave via OrgView, please click here.

For support using OrgView, please contact IT ITSupport@penrhos.wa.edu.au or see Maddison Taylor-Gillett (top floor staff level) gillem@penrhos.wa.edu.au

ABSENCES KNOWN IN ADVANCE

Staff absent due to Sick Leave, Carer’s Leave, Time for Time, Special Leave, Long Service Leave, Leave Without Pay or Parental Leave must complete a leave request in OrgView. Instructions on how to enter your leave via OrgView can be found here: https://penrhoswa.compass.education/Communicate/SchoolResources.aspx

All other leave types pertaining to on and off campus activities (such as excursions, camps, etc.) are emailed through to Maddison Taylor-Gillett gillem@penrhos.wa.edu.au directly.

School Resources → Penrhos Training Material → OrgView

46 | S t a f f H a n d b o o k 2 0 2 2

Professional Development: Complete the Professional Development Request Form via Compass, here: https://penrhos-wa.compass.education/Organise/ProfessionalDevelopment/ You will receive a notification once your PD has been approved, Maddison Taylor-Gillett will register you for the PD activity, and your leave will AUTOMATICALLY be booked in for you. IMPORTANT: Ensure that once you have SAVED your PD Application, you click it back open and hit SUBMIT. Unless you complete this, your PD Application will not be passed on for approval.

THE PROCESS STEP 1 - A STAFF LEAVE REQUEST should be submitted at least one week in advance via OrgView as these are dependent upon other activities being planned at the College on the day in question.

STEP 2 - WRITING RELIEF LESSONS - Complete the ‘Teacher Notes’ section of the Compass class pages for each lesson that will be missed. It is essential that the work left be appropriate and adequate. Teachers taking a relief class should be able to determine what is to be done by the class and enough work should be left to cater for all students. Classes should not be left with continued periods of private study. Teachers should ensure that work left for relief staff can be managed by teachers who are not specialists in the areas concerned. Lessons that may create problems with duty of care or student/staff safety should not be left.

If you have a duty during your absence, please arrange a swap with another staff member. If you have any issues email Patrick Moore.

47 | S t a f f H a n d b o o k 2 0 2 2

HOW DO YOU KNOW IF YOU HAVE BEEN GIVEN A RELIEF CLASS AND WHAT DO YOU DO? Maddison Taylor-Gillett will allocate and sync relief classes to staff Compass Timetables every morning before 8:15am.

It is each staff member’s personal responsibility to check their Compass Timetable to see if they have been given a relief for the day. If you have been allocated a relief, it will show up in your Compass timetable when you log in. Simply click on the class in your timetable to be taken to its landing page, and the relief instructions under ‘Teacher Notes’. Any work sheets will be available for collection from the Admin Assist for Teaching & Learning office – please ensure that you check if anything needs to be collected before you arrive to the class. This is particularly important if there is an assessment to collect and administer under timed conditions. If the absent staff member has given short notice (called in that morning) and is unable to enter in relief instructions on Compass, you will be emailed instructions as soon as possible. Please ensure that the lesson left for students is conducted. Return any relief materials including class list, relief lesson outline with comments if appropriate and any resources provided to the pigeon hole of the absent teacher. Provide the work as prepared by the absent teacher and monitor its completion.

The approach focuses on the “will” and “skill” components of academic success and identifying what is appropriate

INTERNATIONAL STUDENTS Penrhos College is registered with CRICOS for the purposes of educating international students. International students are those students who have been issued a Student (Temporary) Visa, Subclass 571. Certain conditions must be maintained for the visa to be remain valid. The most important of these for students who enrol in either our primary or secondary courses is the need to maintain a minimum academic achievement in all their subjects of 50% and a minimum attendance requirement of 80%. Should these minimum requirements not be achieved or maintained, the student’s parents and any necessary regulatory bodies may be notified with consequences for the student’s ongoing visa retention. International students are flagged (with the symbol below) in Synergetic as a method of identification for teaching staff. If you teach these students, please access her Synergetic record to see details of the visa conditions. More detailed information about procedure can be found in the following document: Monitoring of Attendance & Course Progress for International Students

TEACHER FEEDBACK Our aim is to promote a culture ‘where teachers and school leaders expect and are expected to be active learners, to reflect on, receive feedback on and improve their pedagogical practice and by doing so improve student outcomes.’ (AITSL, Australian Charter for the Professional Learning of Teachers and School Leaders, August 2012).

Ongoing feedback processes ensure Inspirational Staff provide Inspirational Student Experiences as outlined in the Strategic Directions and Teaching and Learning Framework. Feedback to teachers is provided in four ways at the College;

1. 2. 3. 4.

Walk Throughs with informal feedback Formal Lesson Observation by middle and senior leaders with written feedback Peer observation through the Watching Others Work program Student Survey on Teaching and Learning administered via Microsoft Forms – see or email Maddison Taylor-Gillett (gillem@penrhos.wa.edu.au) to have this set up.

A combination of Walk Throughs and Lesson Observations are conducted independently by your line manager. They will last between 5 and 15 minutes during a nominated 2 week block of time to provide a snap shot of classroom practice. Walk throughs allow for subsequent informal conversations with individual teachers, reflection and discussion at departmental meetings, and the targeting of professional development to build teacher capacity at a department or school level. A summary of evidence and reflections on initial walk throughs will be shared by the Head of Department with the Dean of Teaching and Learning in our regular catch up meetings to aid understanding of classroom practice and professional learning needs.

So that we are transparent in what it is we are aiming to achieve with the observation, below is a list of questions that will be completed by the observer during the Lesson Observation. It is not expected that all of these aspects would be evident in every lesson. Additionally, should you have a particular focus area or AITSL standard, you wish to receive feedback on, please feel free to inform observers of this prior to your visit. This will enable you to use your feedback documentation as a part of your professional portfolio of evidence for TRBWA registration.

Learning Intention: Are the learning intentions clearly stated and visible? Accessing Prior Knowledge: How does the teacher connect students with their prior knowledge? Engagement: How does the teacher engage students & facilitate active learning? Delivery: How does the teacher vary the learning experiences to excite, engage and challenge? 70 | S t a f f H a n d b o o k 2 0 2 2

Differentiation: How does the teacher scaffold the learning to meet the needs of students? Learning Environment How does the teacher build rapport and credibility with students? Feedback: How does the teacher provide relevant feedback? Conclusion: Does the teacher gauge attainment of the learning intentions?

Teaching and Learning visit times for lesson observations are either organised approximately 3-4 weeks in advance, performed as unscheduled visits or conducted via a video recording of a particular lesson depending on individual staff preference. HoDs will liaise directly with staff and visits may be announced or unannounced.

After the lesson observation, a meeting will be made with the observer to review their responses and you have the opportunity to reflect and respond. This professional conversation may open dialogue for further Professional Development or leadership opportunities.

Penrhos will support staff in identifying the unique contributions of their peers through a process of collaboration, observation, reflection and feedback so that teachers are working together towards becoming highly accomplished practitioners.   

Peer observation through the WOW program. Actively participate as team members in reflection, the sharing of resources, engaging in professional learning and discourse, to contribute to the college professional learning community. Personal engagement with AITSL standards through the survey and exploration of the Classroom Practice Continuum.

These opportunities for gaining feedback foster meaningful professional conversations, recognise effort, promote reflection and improvement of practice. We also recognise the need for staff to be supported if they are not comfortable with particular feedback processes to ensure a positive culture of continual teacher development through Professional Learning, Development and Growth.

PROFESSIONAL REVIEW (PR) A number of evidence-based tools are provided at Penrhos College to promote a culture of continuous reflection and improvement with respect to our role in developing girls to become extraordinary women. The process promotes staff self-awareness and assists staff to complete a biennial Professional Review with respect to their position statement. It also assists HoDs and Line Managers to help build your capacity, giving you helpful feedback to develop skills and working relationships. Through your Professional Review, we aim to support your goals through professional discussions and supporting you with Professional Development opportunities.

PR will involve: • Reviewing your practice in terms of your Position Statement • Highlighting evidence which you are proud of • Build teacher capacity through a strengths-based model • Reflection • Goal Setting • Support Professional Review is conducted over a 2 year period. Staff who complete their probation will have PR conducted in the first year of permanency.

PROFESSIONAL LEARNING, DEVELOPMENT AND GROWTH Here at Penrhos College we are committed to learning, development and growth, to acquire the skills and knowledge that lead to excellence in teaching.

Internal and external professional development opportunities are regularly sourced and information regarding these is issued to staff when it becomes available. We also encourage all staff to be proactive and look for professional development opportunities that meet their goals and aspirations.

MANDATORY REPORTING Schools have a legislative responsibility to protect children in their care at school, and also to intervene when they believe the welfare of a child is at risk outside the school. Penrhos College recognises this duty of care and has developed the reporting procedures as outlined in the Procedure for the Notification of Suspected Sexual Abuse by Teachers, Boarding Supervisors and Nurses diagram following.

The College alerts its staff to common features of child abuse and provides the supporting structures of its academic and pastoral care structures to recognise and implement this procedure.

The diagram below outlines your responsibilities as per the mandatory reporting training. Please refer to the Child Protection Policy on Complispace for the full policy.

ASSEMBLIES & CHAPEL An Assemblies and Chapel calendar will be emailed to you at the beginning of each term by Secondary Reception.

All Form Teachers, Form Assistants and Heads of Year are required to attend their relevant year group Assemblies and Chapel. All teaching /academic staff are required to attend the Principal’s and the Awards Assemblies.

COMMUNITY SERVICE For Penrhos Graduation Year 12 students will need to complete a minimum of thirty hours (30) community service during their time in the Secondary School. The thirty (30) hours will need to be completed across the six years of Secondary School and in a minimum of three (3) different activities.

The student’s graduation hour requirement and their cumulative totals will be on their semester one and two reports. We recommend Form Teachers comment on their service hours and encourage their form students to get involved in the community service program on a regular basis. Spending time in form discussing options is a great way to get the students thinking about their service hours. Getting your proactive students to encourage and help others in your form will also assist in cultivating positive community environment.

Form teachers can check on their students’ hours in synergy at any time, either individually or as a form group.

There is no need for you to engage with them or disrupt the activity flow- you are purely there to support them, should the need arise. You will not be marking the attendance. Only hours listed and collated electronically will count towards your pro-rata’d hours fulfilment.
