ANNOUNCED IN LATE DECEMBER the consummation of our transaction with new equity sponsors, the conclusion of a long process started early last year. This transaction is an opportunity to move forward with our existing sponsor Harvest Partners, who has reinvested in the company, and a new partner in Mubadala. Their combined support now presents the company the exciting prospect of continuing the storied history of DCA with a new partner.

Many have asked about our new partner Mubadala, who they are and what they represent. In summary, they are an Abu Dhabi based investor, that manages a significant global portfolio spanning six continents with interests in multiple sectors and assets. Mubalada has a history of leveraging its deep expertise and long-standing partnerships to support sustainable growth and opportunity. They are committed to leaving a positive and lasting impact on the communities and businesses they support. This commitment and track record makes them an outstanding partner for DCA, supporting our values and our mission.

As times of change bring a level of uncertainty, I remain convinced that this new chapter in the 32-year history of the company will be the best yet. The combination of our new partner with the continued support of Harvest Partners, our management team, our dedicated Support Center staff, and our outstanding team of dentists, hygienists, and dental professionals, I am confident we will accelerate our growth and support our vision affording greater opportunity for our entire team.

With our new sponsors, our objectives are a passionate focus on the company’s long-standing vital few objectives: Superlative support of our practices and dental professionals, reaching more families in need of quality dental care, expanding our footprint, improving communication at all levels within the organization. These vital few, which have served us well over the past several years, are not only relevant today, but they are also more important than ever, and will be our foundation for this new chapter at DCA. Coupled with the support of our sponsors, we have the capability to become the

leading dental service organization in the nation. We have demonstrated this over the past years, as the company has grown to nearly 400 practices in 22 states, with a unique mix of specialty and general dentistry. This growth over the past five years has been unprecedented and generated significant confidence in our ability to enhance our new allied practices, to create value and make things. Looking back over the past five and half years, I am extremely gratified by the many successes and growth of the company.

As we enter 2023, we continue to face the broad challenges of 2022. We have seen changes in our workforce and the impact of increased competition for labor at all levels. Dentistry is a profession that historically has performed in accord with the economy. We have seen the pervasive impact of inflation and increased interest rates. Despite the prognostication of recession and inflationary forces on our patients, what we have not seen is an appreciable erosion of demand. Our challenges in 2022 derive from the inability of patients to access our care—which is consistent demand generated at levels we are privileged to enjoy.

A substantial portion of our efforts in 2023 will be devoted to expanding and improving this access to our hard-won demand. This ties back to the vital few of reaching more families in need of dental healthcare. This will be the central focus of our efforts in 2023.

Despite what may happen to the broader dental field, we have a unique opportunity to advantage our scale and capabilities to this end.

I want to thank all of you for your support and your efforts in 2022, while we experienced massive COVID outbreaks, blizzards, hurricanes, and other unexpected crises. Your ability to meet these challenges is extraordinary and I thank all of you for the continued dedication to the company.

AS WE SHIFT GEARS and welcome 2023, I would like to wish each of you and your families a happy and healthy new year! Reflecting on what we have accomplished over the past year, we are happy to share that 2022 was another unprecedented year for DCA, the result of strategic efforts to affiliate with practices that build market density and expand geographical reach to serve the lifetime needs of patients across all dental disciplines. With the pace and number of additions this year, including entrance into the state of Tennessee, 2022 has been one of DCA’s most successful years in its 30+ year history, and we are primed for even more growth this year. We are actively pursuing opportunities to partner with dentists looking to unleash their practice potential. DCA partnerships are founded on a shared commitment to clinical excellence, strategic growth and an exceptional patient experience. With each partnership we bring to life our mission, vision, and values.

Over the last 30 years, DCA has consistently evolved and thrived in all market conditions, resulting in its supported practices continuing to outpace industry performance, through focus on patients, their health, and its allies’ ability to provide safe, accessible, high-quality dental services. Remember, if you introduce a prospect that completes an affiliation with DCA, you will be paid a referral bonus equal to 1% of the transaction closing value. Take for example Dr. Fluoride, who has been speaking with a well-respected doctor across town who is very keen on finding a partner to help her grow. Dr. Fluoride refers her to the DCA Development team and it results in a transaction valued at $5.0M at close. In this scenario, Dr. Fluoride will receive a referral bonus of $50,000 for facilitating that introduction!

The Next Chapter at DCA

AS WE EMBARK ON the new year and accelerate our efforts to elevate Dental Care Alliance and the support that we provide to the practices we serve, I could not be more excited. Reflecting on a tough year in 2022, but with a strong start to 2023 and new and renewed investment from Mubadala Investment Group and Harvest Partners, respectively, I am tremendously excited about our potential here at DCA.

It’s a new chapter for us. Exciting, trepidatious, promising, unknown. And with a challenging economy with rising interest rates, it will be a challenging year for us in 2023. However, we have overcome every obstacle that has come our way in our 32+ year history and I know that together we will do the same in our future.

A commitment to service excellence and continuous improvement will be an important focus for us in 2023.

DCA is fortunate to have a team of professionals with decades of experience and dedication to serving patients –as evidenced in the Service Anniversaries at the conclusion of this DCA Insider.

Engagement Begins with Me

Team member engagement and retention will continue to be a top priority for our success in 2023 and beyond. We are thrilled to be back out and meeting together in person with our Town Hall Meeting series – an opportunity for our team members, DCA Support staff, and senior leaders to gather together and discuss the state of the company, industry, and your respective regions. Since mid-2022, we’ve been able to meet safely, in-person with allies in Northern Virginia, Wisconsin, Georgia, and West Florida. We come to share pertinent information, hear directly from you, and answer any questions you may have. Look for additional dates to be announced soon.

Our 2022 December Pulse Engagement Survey was an opportunity for our team members to share your voice and perspective on what’s going well at DCA, and where we have opportunity to improve. Results were mixed and

response rate was down markedly from previous years. We will continue to ask you to share your opinion and help us make DCA the best DSO and workplace in our industry.

There are questions about the confidentiality of the survey. We partner with an outside, third-party vendor – Reward Gateway, headquartered in the UK, with strict data protection laws in the EU. The General Data Protection Regulation (GDPR) is the toughest privacy and security law in the world. Though it was drafted and passed by the European Union (EU), it imposes obligations onto organizations according to seven protection and accountability principles.

1 Lawfulness, fairness and transparency — Processing must be lawful, fair, and transparent to the data subject.

2 Purpose limitation — You must process data for the legitimate purposes specified explicitly to the data subject when you collected it.

3 Data minimization — You should collect and process only as much data as absolutely necessary for the purposes specified.

4 Accuracy — You must keep personal data accurate and up to date.

5 Storage limitation — You may only store personally identifying data for as long as necessary for the specified purpose.

6 Integrity and confidentiality — Processing must be done in such a way as to ensure appropriate security, integrity, and confidentiality (e.g. by using encryption).

7 Accountability — The data controller is responsible for being able to demonstrate GDPR compliance with all of these principles.

I assure you that the survey and data collected is confidential. We do ask demographic questions in our survey – only to help us identify areas and roles where there is opportunity to improve. Without this data, we have no actionable way to make a difference based on the feedback you share.

As we have communicated in the past, results are NEVER reported where there are less than 5 responses. i.e. if there are only four responses in an office, those results are not shared, they are rolled into the aggregate regional results. i.e. if there are only three responses from doctors in an office, those results are not shared, they are rolled into the aggregate regional or provider results.

I share this information to encourage you to participate fully and candidly in future surveys. Engagement is the responsibility of each and every one of us and your voice does matter.

Levers to Achieve Success in Q1 and Beyond

The industry trends are clear and show a challenging labor industry that has extended since the rebound from the COVID-19 pandemic. We are faced with staffing shortages and elevated levels of patient cancellations. To achieve a positive Q1, we will focus on adding and improving year over year provider days, maintaining a mix of services at January 2023 levels, and filling the schedules by creating appointments and focusing on achieving our KPIs (answer rate, conversion rate, walkout rate).

Our collective and laser-focus on these important levers will allow us to meet and exceed our goals as an organization, but it will take each and every one of us. A team working together to overcome this challenging time in our industry. I encourage each of you to make a commitment to go above and beyond, to shoot for the stars, and commit with me to a tremendous 2023. I am confident that together we can achieve the unprecedented.

North Division

AS WE ALL KNOW change is a part of life and there has been no shortage of change in the GP North Division, including our new name.

Improving Efficiency, Growth and Engagement

Throughout 2022, the North has consolidated regions, promoted our people, and moved key leaders in to important new roles. All to improve efficiency, growth and engagement throughout DCA.

During the first half of the year the North predicted that we would grow new affiliates and embrace new partners. We did that! We added four more GP offices to the North team. We have also been approved for multiple expansions underway and a new De Novo. Times, they are a-changing!

As we progress in the North, we have restructured the regions. Maryland has now become one region led by Jeff Wingfield and Dr. Lorne Yasbin. Massachusetts and Connecticut have also been consolidated and led by

Mike Strout and Dr. Matt Haluch. We have new operational leadership in New York, with Sarah Bourdeau joining Dr. Robert Friedman. New Jersey has grown by three offices in Southern New Jersey, led by Yarellys Torres and Dr. Steven Goldstein. Last but not least, the powerhouse of Pennsylvania saw its first new affiliate in years and is being led by Dan Sparks and Dr. Edan Blumenthal.

Kara Keller moved from our Connecticut Region to lead the Adult Specialty North Region. A loss for the North but a great addition to the AS Team. Kara will never be too far away from her old team!

As we look to 2023, there will be no shortage of change. More growth is ahead, and we will continue to focus on driving results through better employee engagement, less turnover and more providers joining the team!

Sparking Renewed Purpose and Increasing Retention

IT IS ALWAYS EXCITING entering in to a new year, a time to asses and set forth a new path with a renewed sense of purpose. As I reflect on 2022, the division looks quite different. We said goodbye to the Georgia regions, now part of the South Division; the Konikoff pediatric offices now fall under the Pedo/Ortho Division; and the Oral Surgery groups are now part of the newly formed Adult Specialty Division. Along with this change, Summer Cook transitioned from Regional Manager for the Mid-Atlantic 7 region to Adult Specialty. It has been my pleasure to have worked and learned from all of you over the last three years. Thank you!

With goodbyes also come hellos! There are several additions to the Division. Tara Pannell is the new Regional Manager of Virginia South (VAS), formerly MV3 and MV4. Tara has worked as a hygienist with Konikoff Dentistry for 19 years; she then became a hygiene coach and now forges a new career path in operations. Tara has been

collaborating closely with our Regional Managers, Sarah Fowler and Jessica Rose, who are excellent managers and mentors! Working alongside the Dental Directors, Dr. Steve Price and Dr. Michelle Mattioli, and the Regional Managers of Virginia is truly a pleasure. We also welcome two new affiliations with seven locations: CLQ&P part of VA South (VAS) and VA Smiles part of VA Suburbs (VAB). And finally, our newest addition, Massachusetts, to round out the newly formed VA/MA Division.

I am incredibly pleased to welcome Massachusetts to our Division, as I do call it my home. My career in dentistry began with Baystate Dental and I am extremely excited to assume operational leadership of the Baystate offices and work closely with Dr. Matt Haluch, Dental Director and Mike Strout, Regional Manager.

As we embark on 2023, I look forward to continued success in our regions, sparking renewed purpose with all the managers and staff, and increasing retention.

Patient Convenience Continues to be our Focus

2023 WILL BRING another great year for the Central Division. The year just started, and we’ve already partnered with bestin-class offices that will more than double our presence in Illinois and Wisconsin. To our new and existing team members we look forward to supporting you and your offices in the New Year.

In 2023, patient convenience continues to be a significant focus for us. DCA offers industry leading tools to help improve the patient experience at your office. The experience starts when a patient begins looking for a dentist online. DCA’s Marketing department develops effective digital and social media marketing strategies to drive new patients to your office. Once a patient finds your practice, DCA builds websites that make it easy for patients to book appointments and fill out forms online. In 2023, we are already planning to upgrade 27 practice websites in the Central Division.

Patients have serval options when choosing a dental office, so naturally they will choose the simplest most comfortable option. Patients prefer same-day dentistry and seek out offices that offer it. That is why same-day dentistry continues to be a focus for DCA.

In a survey performed by Exevia GmbH,

single appointment dentistry is appealing to the patient:

• 85% of patients would prefer same-visit dentistry.

• 50% would pay more to receive restorations in one appointment.

• 67% would travel farther to receive care.

We are here to help implement workflows at your office to improve same-day care. For example, DCA has partnered with Overjet AI software to help improve patient care, increase case acceptance, and automate administrative tasks. Dentistry has a high level of financial barriers that cause many people to put off care. DentRite, DCA’s discount plan can help breakdown that barrier for your patient. Patients can save up to $250 per year on preventive care and 20% on all other services with DentRite. In addition, DentRite increases case acceptance. DentRite patients spend $148 more per year than cash paying patients. Whether it is making it easier for patients to schedule at your office, reducing their number of appointments, or making treatment more affordable, DCA has many tools to help you improve the patient experience. Your team of regional managers and I look forward to implementing these tools and others in the coming year.

Reaching More Patients in Need Through Advancements in Technology

AS I REFLECT on 2022, I would like to take a moment to thank the team members in the South division for their dedication to reaching more patients in need through advancements in technology. Our teams have been instrumental in adapting to advancements in GBT (Guided Biofilm Therapy) and Overjet. I am consistently impressed with our practices and team members for their willingness to seek growth opportunities within their roles.

Our hygienists have been a notable example of how, in true DCA fashion, when we collaborate and focus on our patients, we allow for innovation. For the implementation of GBT, the hygienists were willing to devote the necessary time to learning the innovative technology through a combination of hands-on training, course work within the DCA Career Academy, and focus groups dedicated to feedback and support. These hygienists are able to share best practices and connect while striving for a common goal of achieving quality patient care.

As a division, our common goal is not only to elevate the patient experience,

but also to implement efficiencies. We have seen Overjet to be a tool which permeates through the entire practice. Overjet has allowed us to gain more insight to the true needs of our patients. Operationally, we are consistently searching for solutions to process our insurance claims in a timely and efficient manner. Overjet is a step in the right direction.

The resilience of our division is truly second to none. We were able to conquer Hurricane Ian followed by Hurricane Nicole. When faced with challenge, I am always confident in our ability as a team to overcome any obstacle; 2023 will be no different! I am looking forward to what 2023 will bring. Light at the End of the Tunnel

I HAVE BEEN in the DSO space for 15 years, and have seen so many changes in my career that it would be too difficult to name them all. However, there is one thing that I keep hearing at the end of each year that has never failed to repeat, “...this was the most difficult year ever.”

I did not think any year could be more difficult than the onset of the COVID-19 pandemic in 2020. Well, I was wrong. As we conclude a very bumpy and difficult 2022, I’m reminded that each year will bring unique challenges. Seeing the light at the end of the tunnel, we can start focusing on the things we did well and the new things that 2023 will bring us. For example, we welcome the new Adult Speciality division, mimicking the ideology of the Ortho division, providing our beloved specialists with additional support and growth in the company.

Our division is also changing, beginning with our name; as of 12/1/2022 we are the Ortho-Pedo division. This makes sense, as half of our business is

pediatric dentistry. The second change is the addition of certain offices. We welcome the opportunity to embrace, grow and manage the following offices:

• Five Main Street Children’s Dentistry and Orthodontics in Maryland (Perring Parkway, Elkton, Havre de Grace, Forest Hill and Glen Burnie)

Adult Specialty Division

Removing Barriers Between Patients and Care

THE ESTABLISHMENT AND SUCCESS of the Orthodontic Division is the proof of concept that the Adult Specialty Division is built upon. While the two share conceptual operational similarities, many aspects of Adult Specialty Division are unique.

As clinical leader of Adult Specialty and Hygiene, Dr. Balaster will support our specialty clinicians both within adult specialty centers and multi-specialty or general dentistry practices. This will not only add value to the Adult Specialty Division but also to DCA.

Dr. Sarah Balaster will spearhead clinical support for the newly created Adult Specialty Division. Dr. Balaster, a periodontist, has been practicing out of our allied practices in New York since 2017, and will continue to do so one day per week. In her new role, she will be responsible for creating specialty advisory boards made up of Board-certified doctors in each area of specialty. Additionally, all Hygiene efforts will move to Adult Specialty; four Chief Hygiene Officers and the Hygiene Coaches will report up through the new division.

Dr. Balaster stands for identifying and removing barriers between patients and care. She strives to empower clinicians to improve their lives and to improve clinical practice outcomes. She continuously works to elevate dental specialty, dental hygiene, dentistry, and oral health care. Her articles have been featured on the covers of Inside Dentistry and Compendium. She is a Key Opinion Leader and expert Panel Member for industry leaders in laser dentistry and dental technology. She received her DMD from Rutgers School of Dental Medicine and earned her certificate in Periodontics from the NYU College of Dentistry.

Focus on specialty advances all providers through mentorship opportunities, partnership in complex cases, marketing, and reputation. For example, a program in treatment efficiency models can partner restorative and surgical providers together in marketing, financing, and completion of complex multidisciplinary restorative cases. This program can bring together prosthodontists, periodontists, and oral surgeons within a single office, or act as a bridge between a specialty and general dentistry practice. Four seasoned regional managers will support operational aspects of the Adult Specialty Division.

Staffing Shortages and Elevated Patient Cancellations

DCA Continues to Outpace Industry Despite Challenges

AS WE CLOSED OUT 2022 , the industry faced continue challenges related to staffing and patient cancellations. Across the industry, this has caused slightly lower patient volumes and decline in scheduled capacity. In both of these metrics, DCA affiliated practices have remained ahead of the industry.

At DCA, we have faced some of these same challenges but have proven resilient yet again.

Staffing challenges impact many of our practices with provider and staff time down vs. 2021 levels. This has created challenges for patient visits, however we have been able to stay slightly ahead of the industry through the end of 2022 (Figure 1).

Patient cancellations are elevated. However, our schedules remained 89% full, continuing ahead of the industry. We have been able to do this through active management of schedules and re-filling cancelled slots with new appointments (Figure 2).

We will continue to deal with challenges, but the combination of strength from our allied practices and the support center behind them, I’m confident we can overcome any challenge that comes our way to continue to lead the industry. Leveraging Technology to Improve Care

Technology in the Dental Industry is Ever-Changing

FOR EVERY CONFERENCE or trade show you attend, there are countless vendors claiming to have the next best technology or solution for a problem facing a dental office. To continue and grow as a leading Dental Support Organization, we are always evaluating these technologies to determine if they would be a good fit. Of course, every technology cannot and should not be implemented. Some may not pan out with a significant benefit and trying every new technology would cause undue stress on our teams in the offices.

In 2022, DCA invested significantly in technology for our allied practices. We did this after thorough review of benefits and after piloting in a small number of offices to

test. In reviewing each potential this technology, we have a simple “test” that we evaluate. It needs to be a win-winwin for us to implement.

• First, we need a win for our team members and dental professionals. Every new technology is first vetted to determine how it will make the jobs of our team members better. Some may help improve interactions with patients, while others may allow tasks to be more efficient.

• Secondly, we need a win for patients. If a potential technology does not improve the patient experience or help provides improve care, it is not worthwhile for us to consider spending resources on.

• Lastly, we need a win for DCA, and if we’ve passed the first two tests, this should be easy. The benefit to DCA could be many different ways, but ultimately will result in either improved care for patients or a workplace that more dental professionals want to be a part of. Either way, it’s a win for DCA.

As we went through 2022, you probably saw some new technologies and as we move to 2023, you will see more deployed. I hope you see value in each of these. A quick rundown of some exciting developments from 2022 or coming in 2023:

u Hygiene Guided-Biofilm Therapy

Using a machine developed by EMS, many DCA hygienists are now using a machine that eliminates the need for many conventional hygiene techniques. This makes the patient experience better in that it’s more comfortable and quicker. This makes the hygienist experience better in that it is much more ergonomic way to treat patients.

u Overjet Artificial Intelligence

At just over 100 offices, Overjet was implemented in 2022 with favorable feedback from our teams on the ability to aid in diagnosis as well as educate patients on the diagnosis and benefit of treatment. Over time we will have this more fully integrated into our practice management systems so it’s even easier to use and we can track progress over time.

u Weave Phone System

The Weave system was implemented across offices to help offices improve patient communications with a more advanced phone system that recognizes patients when calling and allows more methods to communicate. As we work toward more integration, we expect further improvements in 2023 to help patients and practices communicate.

u Care Credit Patient Financing

As we look to 2023, we are working with Care Credit on additional offerings that may allow more patients to be eligible for financing to help them complete needed treatment in our offices.

u DentRite

With a discount membership plan that help patients complete treatment and come back regularly, DentRite has proved valuable to many of our practices. Recently, we introduced a streamlined application for DentRite where patients can apply from their phone simply by scanning a QR code.

To Increase Market Share

THE MAREKETING TEAM is looking ahead to proactively plan to increase market share and mitigate possible headwinds in the year to come. Over the course of 2022, we saw changes in patient demand, with some softening occurring in recent months. To address this head-on, we have increased our marketing investments and strategies in the specific markets with excess capacity and declining new patient volumes. We will continue this targeted approach into 2023, but with added strategies to boost brand recognition and overall digital visibility for all supported locations. Here is a preview of what is to come:

2023 “Always On” Marketing Strategies & Support

We will focus on consistent, constant marketing tactics that increase top-level brand recognition and engagement; paving the way for better conversion capabilities when targeted lead-generation campaigns are launched. Increased focus and resources will be dedicated to continuing website performance growth, increasing practice video and photography libraries, and creating featured content highlighting our doctors, practices, and patients.

2023 Pre-Planned Operational Strategy Meetings

Collaboration and proactive planning are key components for effective, efficient marketing. Regular planning sessions will be planned with DVPs and RMs where individual office needs will be brought forth and prioritized to ensure effective use of resources and marketing investments.

2023 Defined Quarterly Multi-Channel Marketing Campaigns by Brand Category

Marketing planning will be done on a quarterly basis, with defined offer and campaign opportunities. Establishing proactive, three-month-long comprehensive campaigns improves effectiveness and allows for scheduled resources and budget management. Available results will be shared and reported for better transparency and understanding of campaign performance.

2023 Office Participation Opportunities

Marketing is a team approach! Office teams have many opportunities to get more involved in their local communities, social media presence, and online reputation. Local relationship building can be an effective way to attract new patients to practices. The DCA Marketing team will share innovative ideas and resources to encourage local participation throughout the year.

From Analytics to Execution

Embedding Analytics into the Business

ONE OF THE MAIN OBJECTIVES of the Analytic Dashboards is to increase the transparency of information such that managers within the company, from office managers up to senior leaders, are analyzing the same information to make decisions. Aligned with the same information, leaders can move quickly to help offices determine the top levers that have an outsize impact on results. However, the dashboards are only effective to the extent that they 1) are embedded in business processes and 2) are frequently used.

Our dashboards are KPI focused. KPIs are the metrics that we have proven to have high levels of correlation with office success. How do we know the KPIs matter? First, through statistical analysis, we confirmed that KPIs explain at least 75% of the appointment creation throughout the company. Second, by mapping KPIs along the timeline of a patient visit. The exhibit to the right displays the major milestones in a patient visit in blue, from the initial appointment creation to the completion of the visit and scheduling of the next

appointment (i.e. the “walkout appointment”). Note how the KPIs (italicized and boxed in white) underpin nearly every major point in the patient experience. Without the KPIs, the patient experience grinds to a halt. For example, if we have a significant call volume, but have difficulty answering the phone, we miss opportunities to create appointments and fill schedules. This results in fewer visits, fewer diagnoses, less treatment, and fewer created future appointments. This can create a cycle that is difficult to break and can hinder office performance for months. Conversely, favorable KPI performance can create a self-reinforcing cycle that improves future results, by scheduling more patients who then schedule more follow-up appointments in the future.

We have embedded KPIs in the business in these ways:

1 We developed a forecast which correlates KPIs with business results to determine which KPIs are most important

2 We built the Consolidated KPI Dashboard, which summarizes the most important KPIs to Office Managers daily

3 We used the KPIs to help set the budget beginning in 2021

Of course, the impact of the KPIs and dashboards is directly related to the extent they are reviewed regularly and integrated into the management of the business. I’m happy to report that dashboard usage is strong, with 59% of users signing in over the past month and 85,000 views over the past six months. However, there is always room for improvement, as our business is both complicated and quickly changing at the same time. As a result, it is important to monitor KPIs regularly and communicate progress throughout the office.

How can you engage with analytics?

Providers

Talk with the Office Manager about key metrics. Is your schedule full? Are a high number of patients canceling? What can be done to improve these metrics? Talk with your Dental Director or Hygiene Coach about providerlevel analytics.

In conclusion, the objective of the analytic dashboards is to simplify the business by focusing only on the most important KPIs that impact results. Additionally, the dashboards increase information transparency to align users throughout the organization around a single version of the truth. I believe the usage of analytics can make everyone’s job easier, provide more time to focus on the patient experience, and at the same time continually improve DCA’s operational performance.

New Opportunities in 2023

WITH 2022 IN THE REARVIEW MIRROR, clinical support teams will focus our efforts in 2023 in three main areas:

• Provider development

• Retention

• Increasing efficiency

Clinical support leadership has been restructured to now include a dedicated Adult Specialty Division under the leadership of our Chief Dental Officer, Dr. Sarah Balaster. In

addition to Dr. Balaster, we have three new Chief Dental Officers in General Dentistry: Dr. Alex Cardounel, Dr. Edan Blumenthal, and Dr. William Mauthe. They will be joining Dr. Matt Freedman and Dr. Barry Lyon leading the Orthodontic/ Pedodontic Division.

In 2023 Dental Directors in each state will have an increased focus on coaching and mentoring. This emphasis on provider development will help impact turnover as low productivity and tenure are main drivers of doctor turnover.

DCA allied practices onboarded 43 new graduates this year who are enrolled in a group and individual mentorship program under the leadership of Dr. Edan Blumenthal and Joe D’Alessandro. DCA allied practices look to hire approximately 55 new graduates in 2023, which will require the support of senior doctors to help mentor these new

grads. If you have an interest, please reach out to a Chief Dental Officer or your Dental Director.

Quarterly CE events are being scheduled across markets to develop DCA allied practice’s providers clinically and new topics of interest are welcomed. The 2023 plan includes semiannual training for entire teams.

In addition to a focus on supporting provider development, clinical support teams continue to look for emerging technology to help DCA allied practices gain efficiencies. Clinical support teams piloted Overjet, an artificial intelligence program that helps identify possible pathology and decay on radiographs. Currently Overjet is driving increased efficiencies in more than 100 DCA-supported locations and continues to improve the ways technology is applied in the market.

Currently, DCA is partnering with Humana on a pilot to use the Overjet technology in lieu of preauthorization.

Earlier this year, DCA supported the launch of a lab pilot in the Massachusetts market with Dr. Matt Haluch, which will provide a higher quality product, reduced turnaround time, and at a savings to DCA allied providers. Early results look very promising.

Clinical support teams will continue through 2023 to look at opportunities to bring CBCT’s and scanners into DCA allied locations.

She solicits donations of toothbrushes, floss, and toothpaste from various companies for the children. The program has been dormant since COVID, but she hopes to reinstate for 2023.”

Ziamara is an excellent hygienist and someone whom I am lucky to have a colleague. Ziamara is extremely well rounded having come to us with a front desk and assisting background. She believes in the benefits and results that the laser provides her patients and regardless of insurance or any other factors, Ziamara never takes the power away from the patient and explains to them the importance and benefits of this treatment so the patient is able to make an informed decision when it comes to having the laser therapies performed. Ziamara is a hygienist whom I know is always doing the best by the patient, and this is why I have new hires shadow Ziamara in their first few days with us because Ziamara embodies how we want patients to be treated.”

“Ashley has been employed with DCA/KDA since October 2010. Ashley was always taken amazing care of her patients! She goes above and beyond for each patient as if they were a family member. She is a meticulous in her progress notes so much so that she enables doctors, hygienists, and other team members to be able to better deliver care and services to our patients. An example of Ashley’s exemplary work ethic is her calling her patients after Laser assisted perio treatment and printing a copy of a child’s panorex because the child was so excited and curious to see an x-ray of

their skull. During the Christmas holidays, she sends all the hygienists a personal Christmas Cards and even makes handmade ornaments for those she works with personally! Before the Pandemic, Ashley participated for 3 consecutive years in a mission trip to Jamaica to participate in a sealant project for many underserved townships in the poorest parts of Jamaica. These trips were self-funded. She worked hard to get donations from the community, as well as dental suppliers. Most recently she was selected to participate in a 24-week unpaid teaching project in Romania which will begin January 2024. While there she will assist teacher as well as teach independently, helping with all aspects of schooling for children ages 6 to 16. Ashley is a perfect candidate to receive to be considered for the Overjet Serving First award. She is truly a servant of all people and of all walks of lives.”

Alishia assists new hires and employees in getting acclimated with office operations and protocol without hesitancy. Prioritizing Cybersecurity

Making Progress on Strategic IT Priorities

2022 HAS BEEN A VERY ACTIVE YEAR on both the IT and IT Security sides of the house. We have had a tremendous amount of work done over the year and will continue this

speed in 2023. When I first started at DCA, I shared my top 3 strategic priorities, which still ring true today. Those priorities are:

• System Standardization

• IT Security program acceleration

• IT organization maturity

On the system standardization front we have completed several projects and have made significant advancements in others. Our Denticon conversion strategy has led to

45 office conversions in 2022, which was inclusive of all legacy QSI/CPS locations. We will continue conversions in 2023, with FDC first on the docket. We have another full year of Denticon conversions to complete.

The team has completed the conversion of all legacy phone systems to Weave. In the beginning of 2022, DCA had 20 different legacy phone systems, and now all DCA offices have been transitioned to Weave. It is exciting to know we have one telephony platform across the entire enterprise. As we continue to grow our footprint and mature our experience with Weave, we will work to turn on new features and functionality to help improve our offices productivity.

Lastly, we have started to progress in our Cloud Imaging initiative and have started to convert to Apteryx Imaging where possible. We anticipate 2023 to be a year of conversions as we work to get local images to the cloud so they can be more easily shared across offices.

On the IT Security front, we continue to implement tools and processes to make our environment more secure. In addition to our endpoint security and data loss prevention tools deployed in 2021, we have implemented a privileged access management system to protect Admin accounts. We are also still in process of deploying an identity and access management software that will get us closer to an enterprise Single Sign-On (SSO) solution.

We are also working to fortify our environment in 2023 with additional software and tools that will round out our IT Security posture. In addition, we are working to ensure we are meeting or exceeding all requirements to be HiTrust compliant. HiTrust is a healthcare common security framework that is inclusive of NIST, ISO, PCI-DSS, and HIPAA compliance frameworks and is considered the “gold standard” of compliance and certification.

The IT department is looking forward to an exciting 2023, as we standardize on platforms and secure our environment to best-in-class levels.

Managing Insurance Claims Effectively

Important Guidelines to Help Guide and Improve the Process

DENTAL INSURANCE CLAIMS may be denied, delayed, or alternate benefited for a myriad of reasons, all of which create extra work for the office staff and collections delays. DCA helps position our supported practices to reduce unnecessary claim denials.

To improve collections and reduce your accounts receivable, follow these important guidelines:

Days 1-2

Submit insurance claims ensuring all the details are complete and accurate: x-rays (pre & post-op), narratives, charts, etc.

Insurance denials due to incorrect claim information comprise most of all denials. Per the American Dental Association (ADA), a clear and concise narrative should include:

• The clinical condition of the oral cavity

• A description of the procedure performed

Ally Since 2018

• The specific reasons why extra time or material was needed

• How new technology enabled the procedure to be delivered

• Any specific information required under a participating provider agreement

Days 21-30 (from date of service):

During the claim status call, within 30 days of the date of service, if the insurance company said it did not receive the claim, confirm the information within the system is correct, for example:

• Eligibility of subscriber

• Full name

• Date of birth

• Subscriber ID number

• Relationship to the subscriber

Upon verification resubmit ASAP (electronically, by fax, or by secure email) and confirm receipt immediately. If a claim is denied, find out why and see what further documentation is needed. Make note of all communications in the practice management system (PMS).

Day 30-60 (from date of service): Time for another look back.

Check for any unpaid claims from the past 30 days and make sure the 21– to 30-day claims have been processed. If anything is outstanding, follow up with the insurance company again to check the status of payment and see if it needs additional information. Utilize the patient to assist with the claims processing when necessary.

Many dental plans have clauses in them stating that only procedures that are medically or dentally necessary will be covered. If the claim is denied, it does not mean that the services were not necessary. The problem is that the insurance company’s consultants make that determination based on the submittal of the dental claim form, radiographs, and/or other submitted documentation. This method of benefit determination does not take into consideration the clinical judgment of the treating dentist. Treatment decisions should be made by the patient in consultation with the treating dentist.

Per the ADA, it is recommended that you appeal the benefit, and it is a good idea to include any information that you may not have sent with the original submission. A proper appeal involves sending the carrier a written request to reconsider the claim. Additional documentation should be included to give the carrier a clearer picture of why

you recommended the treatment. Also, you may want to ask to have the dental consultant contact you directly if the claim is going to be denied again and it may help to leave a date and time that you will be available for such a consultation.

The dental office will be in the best position to provide the best care for patients when it is financially stable, so establish a scheduled time each week to work AR and collect insurance payments as quickly as possible. DCA can help ensure that your staff understands the steps to file claims and follow up on payment status.

Plus, for our Denticon clients, we have developed best-inclass tools to help work AR and follow up on open claims efficiently.

It is widely understood that many patients do not understand how their dental benefits work. They do not understand that dentists who attempt to deliver ideal care may find that the constraints of a given insurance policy do not align with the treatment plan. Getting the proper documents completed by the patient (financial policy/FA, treatment plan, etc.) will help the office collect on denials that may ultimately be the patient’s responsibility.

Talent Acquisition Transforming into Growth Mode

IN 2022, THE TALENT ACQUISITION TEAM focused on meeting the hiring needs of our organization. Our TA rock stars made a significant impact in helping TA surpass our overall hiring goals by expanding our outreach to more quickly source both active and passive talent, connecting with a greater number of applicants, and better vetting qualified candidates for our hiring managers. In the second half of the year, we saw a measured increase in

the number of provider contracts extended, an increase in our overall contract acceptance rates and a marked decreased in our Time to Fill for doctor hires. Additionally, the investments we made in our structure, technology and processes allowed Talent Acquisition to hire at a rate that has outpaced our turnover.

As we move into 2023, our focus is shifting from simply maintaining our staffing levels to supporting the growth of DCA! Ongoing improvement of our team’s infrastructure to facilitate hiring efficiency is our foremost priority. Your TA partners’ performance will be guided by meaningful metrics focused on greater speed and candidate/hiring manager experience. Moving forward, DCA’s TA team will need to be more deliberate in our demand planning, collaborating with our operational

leaders to truly understand their needs for the coming year. The use of analytics will become more necessary in forecasting to help identify the right roles, skills and geographies to focus on our growing company. We will execute on regional workforce staffing forecasts to proactively pipeline our future talent needs that support our growth objectives.

As we move forward with our innovation, the experience of our hiring managers, candidates, and recruiters will remain our primary focus. The pandemic helped to make 2021 the “year of the employee experience” and the trend has continued through 2022. It accelerated the need for developing experiences that focused on the well-being of employees, promoted positive work-life balance and the creation of experiences that encouraged employees to stay. This emphasis on providing a good experience also extends to candidates, who have so many options available to them. It is more important than ever to make sure that the DCA candidate experience is easy and enables our candidates to quickly apply for jobs and move through their interview processes seamlessly. As a result, your TA partners will continue to focus on nurturing relationships with candidates and our hiring clients to ensure we place our candidates in the best positions to ensure the most success and engagement in their new roles.

Finally, we are thrilled as we are expanding our University Relations recruitment model as we see the ROI from hiring new grads. Our data shows that, based on our onboarding and mentorship programs, our newly hired providers’ productivity is quickly ramping up. Our University Relations Team has a full calendar of events, updated collateral and DCA swag, and are ready to meet the next generation of talent for DCA!

As a reminder, please continue to stress our employee engagement program! In 2022, DCA paid over $210k in referral bonus payments to DCA employees. We all enjoy working with people we know and like. A Series to Improve Communication

In alignment with Global Diversity Month in October, DCA released a new, brief training to help our team members when Communicating on Culturally Sensitive Issues. The series sets ground rules and provides tips, suggestions, and best practices for having culturally sensitive conversations with colleagues and patients. All team members will take this course on an annual basis to raise awareness and provide our people with tools and resources to ensure their success—in both their personal lives and while in the office. And to help us grow stronger together.

Looking Ahead

The future of DEI at DCA will of course continue to include our focus on growing a diverse workforce and leadership team, ensuring an inclusive culture where all team members feel a sense of belonging, and celebrating our differences. We will introduce our Women’s Leadership Council, which will focus on the networking, professional development, mentorship, and promotion of female employees within DCA.

We will also explore opportunities for connection within our local communities, focusing efforts to partner with organizations groups that support our guiding principles and commitment to care.
