TURN YOUR ATTENDEES INTO ACTIVE PARTICIPANTS Multiply the value of your meeting

INSPIRE CHANGE

2

CREATE VALUE BY EFFECTIVELY DRIVING CHANGE The success of your next meeting starts with being clear about what you want to achieve, and very often that boils down to driving change. Change in attitudes. Change in knowledge. Change in skills. And most importantly: change in day-to-day behavior when participants return to their jobs after the meeting. You and your management team play a key role in inspiring these changes. You must explain the underlying strategy, share information and plans, and inspire the team by sharing your dreams for the future. But still this is not enough‌

Turn attendees into ACTIVE PARTICIPANTS 4

INVOLVEMENT IS A PREREQUISITE FOR CHANGE Very few people are motivated by just listening to someone telling them what to do. Informative and motivational speeches benefit greatly from being supplemented with inspiring processes that engage all participants in designing the changes to come. This involving approach creates shared ownership of the changes and helps liberate the energy needed to successfully achieve change. As a group of experienced change consultants, Wizerize specializes in innovative and effective processes that engage large groups of people in change. We often take advantage of advanced participant engagement technology that allows all participants to contribute actively and facilitates effective knowledge and idea sharing in real time. Over the years we have developed a range of effective large-group processes that have all proven their value in real-life cases in large corporations – a few are presented in the following.

ENGAGE YOUR PARTICIPANTS in a new strategy or concept

12

WHICH ARE THE MOST IMPORTANT ARGUMENTS FOR CHANGE?

Ranking arguments for change is a good way to let participants familiarize themselves with and discuss a concept. It also gives you an idea about which arguments are most widely understood and appreciated.

1 Present a new strategy or concept to the participants, and let them process the input. This engages the participants more deeply with the concept, and their feedback might add valuable new perspectives. Try to design questions that engage the participants in transforming general points into specific examples and learning; for example, “What does this specific change mean for my work in my market?

WHICH ARE THE MOST IMPORTANT DIFFERENCES FROM TODAY?

An open brainstorm on differences triggers a deeper understanding of the key changes.

IDENTIFY FORCES for and against change

2 Engage participants in identifying the most important forces for and against change in order to create a more profound understanding of the situation and a common basis to work from.

WHICH ARE THE FORCES WORKING FOR AND AGAINST CHANGE?

A brainstorm on forces for and against the suggested changes sets changes in perspective and prepares the participants for implementing the changes after the meeting.

SHARE THE RESULTS AS A WORD CLOUD

A word cloud visualizes even long lists of text in an easy-to-understand format that provides a good overview. 15

LET PARTICIPANTS create new ideas 16

HOW WOULD YOU IMPROVE THE SUGGESTION?

3 Let your groups discuss, identify and share ideas. In a brainstorm everybody is invited to submit their input – and all inputs are shared to allow maximum inspiration from others. During the process the facilitator may pick a few representative inputs and use them to stimulate a discussion. The process of dialogue qualifies the input. Sometimes we even pick out six to eight representative statements from a brainstorm and ask the participants to rank them in order of importance using drag & drop. This is a quick way of turning qualitative input into quantitative data – based directly on the input generated in the room.

Qualifying or elaborating on an idea or suggestion improves the quality and provides shared ownership.

HUNT FOR EVEN MORE GOOD IDEAS

An “Idea Hunt” can collect more detailed ideas: people can comment on each other’s ideas, add description of stakeholders and promote/demote contributions – all resulting in a more comprehensive catalogue of ideas to either prioritize or take to actions. An “Idea Hunt” can also be a very useful activity to carry out BEFORE a meeting.

PRIORITIZE IDEAS

4 Let the groups rate the ideas generated. Afterwards you can direct focus to the most important or valuable suggestions. By combining individual prioritization with audience segmentation, you can also gain deep insight into different attitudes and beliefs in a diverse group of participants (which can be quickly visualized and shared).

HOW RELEVANT IS EACH IDEA?

Rating or prioritizing ideas helps groups to find and focus on the most important suggestions.

HOW DO OUR OPINIONS DIFFER?

Rating on two parameters (e.g. Customer Value/ Complexity) enables you to show the results in a grid – a practical way to visualize different perspectives. 19

TURN THOUGHTS into actions 20

5 Let the participants define relevant follow-up actions and formulate them in a concrete plan. These action plans help attendees capture those “magic moments” when they suddenly see their roles and tasks in a new light. The action plans help them pinpoint and commit to a new behavior – starting next Monday. Team-based action plans are customized for group collaborations. They take the teams through a predefined process that starts with an open brainstorm and ends with names assigned to specific tasks. The action plan will be a part of the online reporting site and is therefore easy for participants to refine or access after your meeting.

COLLECT AND STRUCTURE RELEVANT ACTIONS

The action plan is a customized form created for the occasion. Participants can help define and assign responsibility for next steps, etc.

QUESTIONS & ANSWERS

22

WHICH IS THE MOST RELEVANT QUESTION?

6 Wizerize offers a generally open feedback channel where participants can submit questions or comments at any time. All inputs are directed to the control room – or to a customer representative – where it is decided if any action should be taken on the incoming comments or questions. This means that the speaker can answer a question, just a few seconds after it has been submitted. At other times we collect questions throughout the conference and use the best ones for a special Q&A session.

WHICH IS THE MOST BURNING QUESTION?

Use the input field as part of a dedicated exercise.

DREAM THE FUTURE

7 “Dream the future opens the minds of the participants to major changes ahead. The exercise illustrates how differently we perceive the world around us, and works very well as a scene setter when major changes are being communicated or when we are generally working in a future perspective.

WHAT DO WE BELIEVE IN?

“Dream the future is a series of questions, specifically designed for your context, to illustrate what your participants believe will be true in, say, 2020.

The results provide a total overview and work as the perfect basis for a presentation or a keynote about the future or a new strategic perspective. 25

WHAT WOULD YOU TELL THE OTHERS?

8 Making videos is a fun and engaging way to practice communication skills – and a very lively way to share experiences with others, as the videos can be shared in the plenary session. Moreover, the competitive element of producing a video means that people generally put a lot of effort into doing a great job. A typical exercise could ask people to create a 2-minute video telling people back home the essence of the meeting, or let the participants fight for a contract with a fictitious customer by making 1-minute value propositions. You can of course also use the video function to collect other kinds of input, for example as a way to collect input from breakout sessions.

Our terminals allow participants to view and record video. This means we can ask groups to carry out the specific task of making a two-minute video.

WHICH VIDEO DOES BEST?

The submitted videos can be viewed and ranked by other participants or groups – and the highestranked shared by all. Generally each group evaluates just three to five films, meaning that only a few particularly interesting contributions are shared in plenary.

EVALUATE your meeting

9 Why wait for an online survey two weeks after the meeting? Valuable feedback and ideas from participants are very often lost as they seem less important after the meeting. The Wizerize kiosks allow you to collect and review all kinds of feedback directly at your event. Typically feedback will be given on the agenda, the keynotes or the food, but real-time feedback allows you, for example, to ask about your participants’ understanding of content, and use the information to improve and explain certain things more clearly in a subsequent session, thereby helping you to align and design the optimal event.

WHAT DID YOU FIND MOST SUCCESSFUL?

Have your event rated by smileys or numbers to gain valuable feedback about how your different presentations and exercises are perceived.

HOW COULD WE IMPROVE?

Get specific ideas and suggestions, and consider sharing the list with participants as the last part of the meeting, for example as a start of the evaluation session. 29

LIVE REPORTING

10 Live Reporting allows you to access all data from a conference on a passwordprotected website – even before the conference is over. Live Reporting automatically generates a menu containing the results from all voting sessions. If relevant, you can also choose to open the reporting site to the participants – allowing everyone to browse through all brainstorms and questions of interest. Often Live Reporting is also used to distribute conference material to all the participants. This might include filmed 30

presentations from the conference, PowerPoint presentations, simulations and interview films – you name it.

In addition to reporting, the online site can be used for follow-up even after the conference, for example by adding information after the conference or by allowing participants to upload videos or other materials resulting from follow-up activities.
