WELCOME

I am delighted to welcome you as an athlete within our High Performance Academy (HPA). Sport is a major part of life at Solent University, and we are very proud of the development of the HPA programme in recent years, as well as the contribution it’s made to our profile and reputation within the national sporting landscape. I am sure that you will find that the expert support and guidance that you receive from our high-calibre staff will enable you to pursue your sporting aspirations at the same time as achieving your academic qualifications. Success in both these fields is the end goal, and our ‘athlete centred approach’ will help you to achieve these whilst with us. As performance athletes with aspirations, you will of course need to be committed, focussed and dedicated; qualities that you have clearly demonstrated in your career so far and behaviours that we have recognised through our application process, so well done for being accepted onto our programme. At Southampton Solent we pride ourselves on putting our students at the heart of everything we do; providing a real-world, applied learning environment and making learning fun as well as relevant. We have first-class facilities, cuttingedge technology and skilled staff. Our University provides an extensive range of sporting opportunities, including excellent academic provision, a competitive sports programme, and widespread volunteering and community support. The HPA is an important part of our overall sports offering, and we are very proud of its development over recent years. James Grant – High Performance Manager Email: James.Grant@solent.ac.uk Mobile: 07881 014 593 James manages the HPA and supports a number of athletes with their strength and conditioning. His two favourite sports are football and athletics. Qualifications: BA (Hons) Sports Studies, MSc Sports Performance, Accredited UKSCA Coach, UKAD Advisor. Currently undertaking a PhD in Skill acquisition, and coaching.

Kate Richardson – Head Sports Physiotherapist Email: Kate.Richardson@solent.ac.uk Kate is a Chartered Physiotherapist who graduated from Cardiff University. She has previous experience working with Cardiff City Football Club Academy, AFC Bournemouth Academy and Wales Senior Men and Women’s Hockey. She is currently working with the HPA athletes at Southampton Solent University providing assessment, treatment and rehabilitation of musculoskeletal injuries along with injury reduction strategies. Her favourite sports are netball and athletics. Qualifications: BSc (Hons) Physiotherapy, MCSP, HCPC.

Alexander Jeans Assistant Physical Preparation Coach Alex will be taking up our internship position as a recent graduate from Solent University where he achieved a 1st class honours in Sports Science. He will support the HPA team in delivering S & C training to individuals and focus clubs. This opportunity offers an invaluable experience for him in the early stages of his career and hopefully will set him up well for future employment.

PHYSIOTHER APY

Our dedicated sports physiotherapist, Kate Richardson, offers a professional service to all HPA supported athletes. You will have access to the following services where appropriate: • Injury and movement screening

• Soft tissue and sports massage To make an appointment, please write your name directly onto the board in the Performance Fitness Centre (PFC). Alternatively call 023 8201 3786 or email kate.richardson@solent.ac.uk All appointments will take place in the PFC gym. Upon arrival, please make yourself known to an HPA member of staff. You may be required to wait to be seen. If you cannot attend an appointment, please give at least 24 hours’ notice. Repeated lateness or non-attendance will result in the temporary loss of services, as per the removal process on page 14.

STRENGTH AND CONDITIONING The HPA is proud to offer bespoke strength and conditioning support to those athletes involved within the scheme. Our strength and conditioning team pride themselves on the support available to athletes, and the training and learning environment that has been created in the Performance Fitness Centre (PFC). As a result, high standards are expected from the athletes that enter this environment. As an athlete you must: • Have excellent attendance and punctuality • Inform your strength and conditioning coach if you are unable to attend, or are going to be late for a strength and conditioning session. • Attend your strength and conditioning session ready to train, and with enthusiasm! • Ensure you are appropriately dressed with non-slip trainers, clean HPA kit or an appropriate alternative. • Ensure you are well nourished and hydrated prior to attending all strength and conditioning sessions, with a clean water bottle and suitable post training recovery snack. • Only train in the PFC gym when supervised by a member of the HPA strength and conditioning team. • Accept responsibility for your own training. Your strength and conditioning coach is a resource and there to help guide you. • Push yourself, and understand the importance of stepping out of your comfort zone in a gym environment to ensure continued progression. • Fully engage in the process of learning about your physical preparation. Ask your strength and conditioning coaches plenty of questions!

AT H L E T E AGREEMENT The Solent athlete agreement is here to ensure everyone is working towards the same goal. Failure to operate within the code of conduct may result in a dismissal procedure and may affect your place on the programme. What you should expect from the HPA: • An environment encouraging the development of world class performance. • A dynamic team operating in a performance driven environment. • Access to training facilities and tailored support. • Set up and review of individual performance and training targets each year. • Quarterly review with performance staff to discuss competitions, training and lifestyle needs. • Full support to optimise your performance. • Pro-active communication between HPA personnel and external support staff, coaches and academics. What you agree to: • As an athlete I will adopt a professional attitude to training and competitions at all times. • I will comply with training times and my competition timetable and inform my session leader if I am going to be late or absent. • I will attend all activities, events as agreed with the HPA staff and/or my performance manage. • I will recognise and respect the rights of other athletes to confidentiality of information. • I understand that HPA support staff may need to discuss my progress and performance with each other, but will seek athletes approval before discussing confidential matters. • I will train and compete within the rules and respect coaches and match officials. • I will abide by the anti-doping policy, commit to training and competing drug free and attend at least one anti-doping workshop per year. Respect for others: • Athletes and staff must hold mobile phone conversations outside of the performance fitness centre. • Athletes must not rest on equipment during busy times. • Athletes must not use abusive language or behave in a threatening way or intimidating manner towards any other user, visitor or university employee. • Athletes will encourage each other and celebrate successes both in and outside of the gym.

Respect for the facilities: • Athletes must be in possession of their student ID cards at all times when making use of the performance fitness centre. • Litter must be placed in the bins provided. • Athletes must report any damage or suspected damage to equipment or facilities. Repairs must not be attempted. • All problems, personal disputes or grievances must be addressed to the HPA staff members in the first instance. Academic issues: • Athlete attendance must stay above 80% throughout the academic year. • If athletes are experiencing issues with academic studies, they will speak with the athlete support officer and notify their course or unit leader as soon as possible. Health and safety: • No food is to be consumed with the performance fitness centre. • Alcohol is not permitted in the performance fitness centre and anyone suspected of being in a state of inebriation will be prevented from making use of the facilities or services (disciplinary action will be taken). • Drinks must be consumed in plastic vessels. No glass containers are allowed in the performance fitness centre. • All bags and belongings must be stored in the changing rooms. Lockers are provided for your use. • Equipment must not be moved, altered, modified or used in a manner other than intended. • Equipment must not be left on the floor. Storage racks must be used at all times. • Athletes must follow all health and safety instructions issued by HPA staff. • Athletes and staff will use hand gel upon entering and leaving the performance fitness centre. • High standards of personal hygiene must be maintained at all times. • Footwear and clothing must be clean and free from odours. • Appropriate exercise clothing must be worn when using the facilities. No sandals, jeans, string vests, or open toes shoes. Tops must be worn at all times. • Athletes must wipe perspiration from the equipment after use.

Action will be taken if sessions are missed without notification or if bad behaviour is shown by any athlete. STRIKE ONE Verbal warning – loss of one week of services. Action: Verbal warning will be issued by James Grant (HPA Manager). The verbal warning will highlight: • The nature of the issue • How it should be corrected • The next steps to follow

STRIKE T WO Written warning – loss of two weeks of services Action: Following the verbal warning, a written warning will be issued by James Grant (HPA Manager). The written warning will highlight: • Acknowledgment of previous verbal warning • The nature of the issue

• How it should be corrected • The next steps to follow

STRIKE THREE One-to-one hearing – taken off the HPA programme. Action: A neutral individual will take part in the hearing alongside James Grant. HPA staff will undertake a full review of the case and a decision about the athlete’s future on the programme will be made.

APPEAL Action: An athlete has one week to appeal the decision. Appeals will be taken to the HPA meeting for discussion. If the appeal is accepted, the athlete will be invited for a meeting to discuss his/her re-acceptance into the programme. 14

At Solent, we pride ourselves on being at the heart of sport. The HPA is working collaboratively with UK Anti-Doping to promote the clean sport message across the University. Southampton Solent University is fully committed to clean and drug-free sport, adopting the UK anti-doping policy. ANTI-DOPING WORKSHOPS Southampton Solent University runs a variety of education workshops for all supported athletes. These workshops support the UKAD 100% Me campaign which is about being successful, confident and retaining the values of clean sport and fair competition. All student athletes will be asked to embrace the five key vales of 100% Me:

Integrity

The UKAD Education workshops are compulsory for all students who are part of the High Performance Academy and will be held at regular intervals through the year. Workshops will be delivered by our own UKAD Educator Kelly Jones, alongside other HPA staff and in conjunction with UKAD. Workshops will be based on the skills and abilities athletes require in order to achieve excellence in a clean sport environment. F R E Q U E N T LY A S K E D QUESTIONS HOW DO I CL AIM EXPENSES? As a member of the HPA, you will be able to claim some expenses for travel, accommodation (hotels), equipment and anything else pre-agreed with the HPA manager. 1. Complete a bank details form from the Solent Sport office. 2. Keep all receipts which are applicable to the expenses. 3. See James Grant with necessary receipts and paperwork. 4. Claim will be processed at the next available pay run. 5. Any further questions, please speak to James Grant. WHAT SHOULD I DO IF I AM L ATE FOR A SESSION? If you are going to be late for a session you must notify a member of staff immediately. Failure to do so on multiple occasions may result in the loss of privileges. You can contact the Performance Fitness Centre (PFC) directly on 023 8201 3786. WHAT SHOULD I DO IF I C ANNOT AT TEND A SESSION? If you cannot attend a session due to illness or other unforeseen circumstances, please contact the correct member of staff as follows: Strength and conditioning: James Grant or Dan Cruse Physiotherapy: Kate Richardson Sports Science: James Grant Any other issue: James Grant If you have an illness, you cannot return to training or the PFC facilities until at least 48 hours after the symptoms have passed. All illnesses must be reported directly to Kate Richardson. Failure to do so on numerous occasions may result in loss of privileges.

WHAT SHOULD I DO IF I HAVE AC ADEMIC ISSUES? We try where possible to support athletes with date extensions for submissions and exam schedules. Any extension is subject to completing an extenuating circumstances form and providing sufficient evidence. To claim an extension to your work, you must: 1. Obtain an extenuating circumstances form from the Student Hub, Student Portal or Kelly Jones. 2. Contact your course leader regarding your situation. 3. Contact Kelly Jones, your athlete support officer. Additionally, the HPA staff will be providing quarterly meetings and weekly drop in sessions to discuss academic progress, attendance and training/competitions. If you have any queries about academic support and balancing workloads, please contact Kelly Jones.

WHAT SHOULD I DO IF I AM ABSENT FROM THE UNIVERSIT Y DUE TO A COMPETITION? In the first instance, you should contact your course leader to discuss the matter. It is then advisable to contact Kelly Jones to discuss how you can best balance your studies with your sporting commitment. WHO SHOULD I CONTACT TO PUBLISH MY COMPETITION RESULTS AND TRAINING NEWS? We want to promote all the sporting events that you compete in. Please email James Grant with a list of competitions you are entering, a brief report on the outcomes, with pictures if you have them.

FUNDR AISING AND SPONSORSHIP Sponsorship is a great way to get some extra income for your club. Before you look at sponsorship, you need to understand the different ways that this money can be received: sponsorship or donation. SPONSORSHIP Sponsorship is an amount of cash and/or in-kind support given to a club in return for a reward (for example, advertising space, attendance at an event, access to your membership, etc). VAT is deductible on sponsorship (for example, if a company gives you £500, you’ll receive £400 – at 20 percent VAT rate – so you need to agree the amount plus VAT. DONATION A donation is where an external party gives a club an amount of money/in-kind support to benefit the club and requires nothing in return. VAT is not deductible on donations. For VAT reasons, the invoice and payment received must go through the Southampton Solent University Finance Team at basia.dudek@solent.ac.uk

HOW DO YOU GO ABOUT GET TING A SPONSORSHIP OR DONATION? • Look at what your club needs and does: trips, tours, events, socials, competitions, etc. • Look at what your club could benefit from: association with a specific organisation or product. • Look at what you can offer to a prospective sponsor: weekly socials and/or events, publicity through clothing, website, logo on equipment, contact with your members. WHAT C AN BE SPONSORED? If the sponsorship/donation is for a specific purpose, then the money must be spent on this. If not, it can be used to subsidise general club expenditure such as publicity, clothing, equipment, club awards or transport, or for any other purpose agreed with the Sports Development Team.


APPROACHING A SPONSOR Any company, large or small, can be a potential sponsor, provided that the activities of that company comply with Southampton Solent University’s ethical standards. The most popular sponsors tend to be companies associated with your club’s activity. Do some background research and find out more: STEP 1: who? • Find out more about the company. • Think about how the company’s work relates to your aims and activities, and consider whether they may be likely to support you. • Find out whether the company has done anything similar in the past and if there are existing links with Solent Sport or Southampton Solent University. STEP 2: how? When approaching a company, make sure your first communication is addressed to the right person. Keep the initial contact short, simple and to the point. It should include: • who you are and what you do • a brief overview of what you want (for example, if it’s money, how much and how it will be spent) • what the company will get in return (for example, their logo on your t-shirts, publicity, press coverage) • the duration of the sponsorship (for example, a one-off event or for the full academic year) • a call to action (for example, how they can contact you to discuss this matter further).

Some companies prefer to use their own contracts; make sure you read the small print and show the contract to the Sports Development Team before you sign anything. This is to make sure that the contract does not conflict with other commitments Solent Sport may have, and to make sure you get a good deal. Note: please contact the Sports Development Team to get a standard contract template. ONCE YOU’ VE SIGNED THE CONTR AC T: • Make sure both parties and the Sports Development Team get a signed copy of the contract. • The Finance Team will invoice the company for the agreed amount. • Once the invoice is paid, you can spend the money using the form available from the Sports Development Team. Please be aware that the money can only be used for the specific purpose agreed in the contract, or, if there is no specific purpose, as agreed with the Sports Development Team. STEP 4: maintaining a good relationship It’s important to maintain a good relationship and regular communications throughout the season with a sponsor to increase your chances of getting a new or better deal the following academic year.

Note: please contact the Sports Development Team to get a standard letter template. STEP 3: contracts If a company agrees to sponsor you or to give you a donation, you will need to have a written contract outlining the agreement – never rely on a verbal agreement. The contract should include: • full contact details including addresses for both parties • the obligations of both parties • the sponsorship amount – this must exclude VAT, so remember to allow for this, or you could be getting less than you think

BRANDING Any promotional material produced for your club (for example, posters, flyers, banners, online artwork, merchandise) should be checked by the Marketing Team before the collateral is signed off and published or printed. You must seek guidance and advice from the Marketing Team before using the official Solent Sport or Southampton Solent University logo on any promotional material. H E A LT H A N D S A F E T Y R E G U L AT I O N S INCIDENT REPORTING In the first instance, club officials and qualified first aiders should deal with the accident and make contact with the Duty Officer at the venue who will have access to first aid facilities, and be aware of the relevant accident procedures to follow. Contact should then be made with the emergency services, if required. The Duty Officer and the injured person/people will be required to complete an accident report form. PROCEDURE TO FOLLOW 1. Contact the nearest first aider who will treat or stabilise the casualty. 2. Ensure the safety of individuals, yourself and the group. 3. Contact the emergency services if necessary. 4. Call Liam Dell on 07881 014588 (during office hours only) to notify him of the incident, with the information below: • Your name and where you are calling from • The name of the club involved • Whether a trip registration form has been completed • A brief description of the incident • The name(s) and number(s) of student(s) involved • The name of the hospital where any casualties have been taken • The name(s) and number(s) of any police officer(s) involved with the incident Southampton Solent University staff member A will then contact the relevant stakeholders who will implement the necessary action(s), and will come back to you with information on what to do next.

DISCLOSURE OF INFORMATION In the case of serious incidents or accidents, relatives must be contacted in the first instance by the police or Solent Sport, rather than the media. Unofficial statements to the media should also be avoided, as they may affect any legal proceedings. Therefore, all club members are advised to liaise with the emergency services and adhere to the following rules and regulations. Information to provide to the emergency services: • Full name(s) of the casualty and any personal details required by the emergency services • Name and address of next of kin •N ame(s) and telephone number(s) of any University staff member(s) or official(s) that you have made contact with.

Do not make any statement to the media other than ‘no comment’. Do not discuss any aspect of the incident with anyone who is not connected with the emergency services.
