WEST CLUBHOUSE CATERING Thank you for your interest in hosting an upcoming event at the Missouri Athletic Club. The Missouri Athletic Club’s West Clubhouse has experienced professionals to offer advice and help guide the planning for special events for 8 to 100 guests. A designated event planner will collaborate with the host to satisfy specific needs, personal tastes, and fine details. Suggested menus, ordering guidelines and tips included in this packet will help with the initial stages of planning. EVENT ROOM OPTIONS AND FEES Each room at the Missouri Athletic Club’s West Clubhouse has its own characteristics and can be set up to the host’s preference. Due to the high volume of requests and limited amount of space, the MAC requests that a food and beverage minimum is met. Club charges do not count towards the food and beverage minimum calculation. The banquet rooms can be used without ordering food or beverages; however, a room rental fee will be charged as follows: F Guests of the MAC are required to provide a member sponsor to host an event at the Club. Any delinquent and uncollectable balance for a sponsored event will become the responsibility of the member. Signed catering event orders (CEOs) are required prior to the start of any function. If a signed CEO is not received prior to the event, the last order form sent to the client will be accepted as approved.

Catering Policies METHODS OF PAYMENTS & SPONSORED EVENTS All billing will be applied to the MAC member account. If a check or credit card is necessary, an invoice will be sent after the event and a link for credit card payment will be sent to pay online. If paying with check, please reference invoice or event number in memo. Since the Missouri Athletic Club is a private club, guests are required to provide a Member sponsor to host any event at the Club. For sponsored guests, the preferred method of payment is the sponsoring Member number. An invoice will be generated following the event. The guest can submit a check or pay with credit card following the event and the payment will be applied to the Member account. Since event space is limited and our members take top priority, non-member events will incur a $200 room fee. This is in addition to any food and beverage minimum and includes sponsored events. Payment is due upon receipt. Any delinquent and uncollectable balance for a sponsored event will become the responsibility of the member. Sponsored events are not to be reoccurring. All events must have a signed contract on file prior to the event. All food and beverage items for catered events are subject to a 25% club charge. This charge is not a tip or gratuity.

CANCELLATIONS In the unfortunate occurrence of an event cancellation, please notify the MAC in writing as soon as possible. Events cancelled with less than 72 hours’ notice will incur a cancellation fee of up to 100% of the event costs. For reoccurring events, a room fee will be charged if you fail to notify the MAC that you no longer need the space.

GUEST GUARANTEES The host must provide a final guest count (guarantee) three business days prior to the event. This number is not subject to reduction. If the actual number of guests exceeds the guaranteed number, the MAC will strive to accommodate everyone. However, the menu for the additional guests may differ from the original. It is the Member’s responsibility to confirm the guaranteed number of guests with the MAC.

MENU SELECTIONS AND REMOVAL OF FOOD The MAC requires pre-arranged menus for events with 15 or more guests. All menu selections must be finalized at least one week prior to the event. The MAC reserves the right to make any reasonable substitutions (at its sole discretion) for any last-minute requests or changes in food market limitations. These following menus provide helpful suggestions in meal and party planning, but you are not limited to these selections. Our Catering staff can consult with you on any special menu, or theme and make recommendations to give your event a personal touch. Due to health regulations and food safety concerns, only the MAC’s catering staff can remove unconsumed food after the event. Food cannot be taken home after event due to health regulations.

DRESS CODE Business casual attire is required for events throughout the Club, except for pool and youth activity room parties. Athletic ball hats are not allowed in the 1903 Dining Room or the 1903 Bar.

VALET PARKING The MAC would be pleased to arrange valet parking for your event. Current rates apply. An administrative fee will be added based on the final cost.

TABLE LINENS, CENTERPIECES & DECORATIONS The MAC provides complimentary navy blue tablecloths with light green napkins. Check with the Catering Manager regarding available colors. We are able to procure linens from an outside vendor for an additional charge. Please see the Catering manager for current linen rental rates. The MAC has the following centerpieces available for your event. Votive candles; red charger plates with holly berry greenery and gold base candle holder with candle; table numbers You are welcome to bring in your own centerpieces.

Bar Packages ON CONSUMPTION Speak with your catering manager to create a custom bar package. If your group has donated wine for a not-for-profit, please let us know and we’d be happy to inform you of our policy. CASH BAR Guests can purchase beverages with cash or Member signature directly. If the revenue of the bar during the event does not exceed $250, a fee of $125 will be added to the overall event. Cash bar is designated for banquet space. Unfortunately, the 1903 bar or Dining Room is not able to host cash bars. FLAT RATE BAR Bars can be charged by the hour they are open.
