ADDITIONAL INFORMATION Parent Information Session

Parent information sessions are geared towards parents who have never sent their daughter to a sleepaway camp before and have questions. We will be hosting two webinars. The first will be held on January 25th at 7:00 PM and is geared towards getting ready for registration. Look for more information about the time and how to sign up in January. Our second webinar will be about how best to prepare your daughter for camp and will take place in the spring.

Open Houses

At the open house you will have a chance to tour the facilities, meet the camp staff and ask questions. Feel free to bring a picnic lunch to enjoy in our wonderful camp setting. Pets and smoking are not permitted on camp property. The open houses are held rain or shine. Dress comfortably for walking in the outdoors. Unlike parent info sessions, open houses are designed with the camper in mind. • Camp Potomac Woods: June 11, 11:00 AM to 4:00 PM (Please arrive no later than 3:30 PM) • Camp Winona: June 11, 11:00 AM to 3:00 PM • Camp May Flather: June 11, 1:00 PM to 4:00 PM • Camp Coles Trip: June 12, 1:00 PM to 4:00 PM

Transportation

Camp begins on the bus! This is a low cost and highly beneficial way for your camper to bond with other campers in her unit right from the start. We have two bus stops available, with one in Montgomery County, MD and one in Fairfax County, VA. After you have registered your camper, you will receive a detailed Parent

Information Book that will contain drop-off times and specific locations of the bus stops. Parents may also drive their campers to and from sleepaway camp.

Living Units

Each unit accommodates 12-24 campers and consists of a unit house or shelter, latrines or flush toilets (depending on camp), washstand or sinks, fire circle, and screened glen shelters or platform tents. Each platform tent or glen shelter contains cots with mattresses, mosquito netting and nightstands for four to six girls. Counselors are housed in a separate shelter in the unit. Most units do not have electricity. At night, the campers use their personal flashlights to find their way and lanterns mark the location of the latrine, washstand and staff shelter. Girls are assigned to living units by age and program. Tent or shelter assignments are made after your camper arrives at camp so that she may share living arrangements with any friends she may have in the same program. A glen shelter is a wooden structure with four screened sides, a wooden roof and a wooden floor. The canvas curtains can be closed in inclement weather. Glen shelters can be found at all four camps.

Platform tents have wooden floors with a large canvas tent over a wooden frame. There is an extra tarp over the top of the tent. There are platform tent units at Coles Trip and May Flather.

Additional Facilities

Facilities also include a dining hall and kitchen, camp office, health center, arts and crafts building, and central shower house. Potomac Woods, Winona and May Flather have swimming pools, while Coles Trip has river access.

Meals

Food service professionals prepare all of our meals except for cookouts. Campers are given an opportunity to plan a menu and cook outdoors or have a picnic at least once during their stay at camp. Our food service staff can meet most special dietary needs. Vegetarian options are available at each meal. Detailed information about dietary restrictions and allergies will be collected on the Health Form which you will receive after registration. For questions about dietary restrictions and food allergies, please contact Denise Viau, Camping Services Manager, at dviau@gscnc.org, 202.274.3305.

Camp Staff

Staff members are carefully selected from applicants throughout the United States and around the world. They are chosen for their maturity, program skills, and experience and are required to attend an intensive pre-camp training session. Staff members are 18 years of age or older. A health manager is in residence at the Health Center. Specially trained staff members direct the pool, waterfront, challenge course and other specialty areas.

How to Register

18

If you have trouble accessing your account, please e-mail camphelp@gscnc.org for assistance. When registration opens, log in and click Activities to find quick access to all of this summer’s camp offerings.

Girls with Special Needs

Our Council offers opportunities for girls with special needs, including physical or developmental disabilities, to be included in our sleep-away camps. They can join other girls their age for swimming, hiking, singing and other camp activities. Camp is available to all girls who: • Have physical and/or developmental disabilities • Have special dietary restrictions; including food allergies • Require special medications or treatments (Epi-Pen, Nebulizer, etc.) • Require injections (insulin, HgH, etc.) Please provide detailed information about your campers special needs on her health form so we can best accommodate your camper at camp. To ensure that you camper is placed in a camp and program that best suits her needs, please contact Denise Viau, Camping Services Manager, at 202.274.3308 or dviau@gscnc.org before registering her for camp.

Non-Girl Scouts

Non-Girl Scouts are welcome to attend sleep-away camp, but they must register and become a Girl Scouts Nation's Capital member. The annual registration fee is $15. Please register as a member at least 24 hours before selecting a camp.

Buddies

You will be able to enter buddy information during the registration process. This will not guarantee that this person will be registered for the program. If your camper would like to attend camp with a buddy, we encourage you to apply in a similar time frame so that you are both able to secure a space in the same program. In order to be buddies, girls must be registered for the same program during the same week of camp.

Camp Behavior

The staff and Director will do everything possible to help campers adjust to camp life. However, Girl Scouts Nation’s Capital reserves the right to send any girl home from camp who consistently exhibits unsuitable behavior, endangers the camp community, or whose actions towards others are unacceptable. The campers’ parent/guardian is responsible for picking their daughter up from camp and no refund will be given.

Weekend Accommodations

There are no weekend accommodations for campers unless they are registered for a two-week program at May Flather or Coles Trip. All Campers in CIT I, CIT II, and the JC program must leave camp on their weekend breaks. There are no exceptions as there is no adult supervision available.

Visitors

To avoid interrupting camp activities and because camp sessions are short, there are no visitor days during the camp session. Due to limited parking, visiting is not permitted when you are dropping off or picking up your camper. If you wish to see the camp, plan to attend the open house (see page 17). ADDITIONAL INFORMATION

ADDITIONAL INFORMATION Girl Scouts Nation’s Capital day and evening camps are as unique as the volunteer camp directors that run them. Our Council offers over thirty different non residential summer camping opportunities for your young Girl Scout. From the Shenandoah region to the Chesapeake Bay, from inside a church to rugged all outdoor programs, we’re sure to have something that fits your schedule style. Regardless of which camp, or camps, you select, you can expect your camper to come home happy, singing and brimming with stories. Through creative and robust girl-centered programming, each camp encourages campers to expand their horizons and feel comfortable being their amazing selves.

Payment

When registering for camp, be prepared to pay the fee in full. Payment plans for Day and Evening Camps are not available. Camp fees vary by camp and by program. The differences in the fees represent the wide variety of programs available. Financial Assistance is available. See the Financial Assistance section for more information.

Volunteer

All of our day and evening camps are run by qualified, enthusiastic and compassionate volunteer camp directors. If you are interested in volunteering at a day or evening camp as a unit leader, program leader or even to check campers in at the bus stop, email the volunteer contact listed under each camp’s description. In most camps, full time volunteers have guaranteed entry for their campers to attend camps. In some camps, reduced rates may be made available for campers of volunteers.

Who’s Eligible for Camp?

Girls who complete Kindergarten through graduating seniors can attend most camps. Check the individual camp description for specific grade requirements. We welcome non-Girl Scouts to attend camp. A $15 Girl Scout membership must be purchased 24 hours in advance of camp registration in order to register for camp. Boys are eligible only at certain camps and must be children of volunteer staff. Ages vary with each camp. Preschool age children are only eligible at certain camps and must be children of volunteer staff.

High Adventure

High Adventure may not be available to all units and can be canceled due to weather or conditions.

How to Apply

Log into your account in Personify (E-Biz) at least 24 hours prior to the opending day of registration. If you can’t remember your login information, reach out to camphelp@gscnc.org . Remember, some of our camps fill very fast and Council receives hundreds of phone calls on opening day of registration, so take a moment prior to opening day to test your account. Please note, that your new login for the new registration system will not work to register for camp. You must log into E-Biz for camp registration. When you are checking your account, make sure that each camper’s Girl Scout membership is active for 2015-2016 and that she is in the correct grade. Campers must register for the unit of the grade they are currently in. Most registration issues revolve around camper’s membership attached to an incorrect grade or they do not have an active membership. If you have trouble with your account, do not make an additional account. Your camper’s membership and history won’t be attached to that membership and will cause additional registration issues. Instead, email camphelp@gscnc.org. If your current Girl Scout membership is with a different Council, please email camphelp@gscnc.org for further instructions. Application for camp can only be done online through our registration system. Be prepared to pay the entire camp fee on the day you sign up for camp. Confirmation letters will be emailed by the camp at a later date. Financial assistance is available. Please fill out the financial assistance link no later than ten business days prior to the date you would like to apply for camp as a financial assistance code is required to reduce the fees. For more information, see the financial assistance section of this booklet. Any questions on a specific camp should be referred to the Camp Contact person listed under that camp. Register early as spaces fill quickly. Check individual camps for closing or placement dates. Camps do not offer before or after care (extended hours). Camp receipts for tax purposes can only be issued after services are rendered. If you would like a receipt for taxes, please complete the Camp Receipt Request located on www.gscnc.org .

Placement

Placement is not automatic for all camps. Some camps place campers based on first come, first serve, while others use a lottery system. See the specific camp description for more details. Campers registering for a lottery camp must pay in full at the time of registration. Paying for, and completing registration, does not guarantee the camper will be placed into the lottery camp. If the camper is not selected through the lottery, a full refund will be issued only after the camper turns down the waitlist. For specific dates and fees for lottery camps, please consult the individual camp’s webpage. Girl Scouts Nation's Capital | www.gscnc.org

41

Please note, if a camper fails to submit a health form by the deadline for the camp, the camper could be cancelled from the program. Each individual camp has its own deadline and the camp director will reach out to campers with more details.

Health Forms

Registration for day or evening camp requires parents to submit a health form. Camps will reach out to parents after payment is received with either a link to an online health form or a paper health form. Health forms are handled directly through each camp. Campers taking medications at camp must complete additional forms. See www.gscnc.org for more information and to download those forms beginning in February.

Campers with Special Needs

Girl Scout Day and Evening camps offer opportunities for campers with special needs to be included in camp. If your camper has special needs, she is welcome to attend day and evening camp. To ensure that your camper is placed in a camp and unit that best suits her needs, please call the Inclusion Specialist at 202-534-3791.

Medication

Medication, prescription and over the counter, will not be administered at camp without the submission of the Medication Authorization form, and, if necessary, the Specialized Healthcare form (for Epi-pen, insulin and inhalers). These forms are mandatory only if you anticipate sending medication to camp with your camper. The forms can be found at www.gscnc.org beginning in February. Medications must be in the original container. Campers must self-administer all medications; with the exception of emergencies; at the health center. Camps cannot administer medications that are not prescribed to the camper.

Transportation

Bus transportation is available at some camps. See each individual camp description for specifics. For camps that do not offer transportation, carpooling is strongly recommended, but are typically arranged by parents.

Photo Identification Policy

All adults picking up campers must show a photo identification and be listed on the camper’s authorized pick up list. Please come prepared to show identification when picking up your camper and be patient, particularly on the first day of camp.

Refund and Cancellation Policy

42

Refund policies and deadlines vary from camp to camp. Please consult the individual camp’s description for details on the refund policy. Except in extenuating circumstances, Council will not override a camp’s refund policy.

Refunds for Girl Scout Membership will not be issued. Girl Scouts Nation's Capital reserves the right to cancel any program listed due to insufficient enrollment or other extenuating circumstances. Alternate programs or refunds will be offered.

Financial Assistance

Financial assistance is available for one day or evening camp per camper per Summer. Please go to www.gscnc.org and click on the financial assistance link to fill out the request before you apply for a camp. Financial Assistance applications are reviewed on a rolling basis every ten business days. You will receive an email only after the request is reviewed and approved. In that email will be a code to use when applying for camp. If more than one family member is requesting financial assistance, please complete a separate request for each child. All application information is confidential.

Camp Behavior

The director and camp staff will do everything possible to help campers adjust to camp life. However, the Girl Scout Council of the Nation’s Capital reserves the right to send home from camp any girl who consistently exhibits unsuitable behavior or endangers the camp community, or whose actions towards others are unacceptable. The camper’s parent/guardian is responsible for picking her up from camp in these cases. There will be no refund.

Leadership Roles for Teens

Teen Girl Scouts are encouraged to participate in leadership roles at Day and Evening camp. Depending on the camp, there may be opportunities for teens to serve at Aides or Aides in Training (AIT). Consult the individual camp’s description for details on requirements. Camp Aides and AITs must be available for all required trainings. Trainings, and training dates, vary from camp to camp.

MARK YOUR CALENDARS! Day and Evening Camp registration opens at 10am on Wednesday, February 10, 2016 Girl Scouts Nation's Capital | www.gscnc.org
