Villanova in the Digital Era As technology continues to play an important role in enabling teaching, learning and research for Villanova we continue to seek, adopt, and exploit the changes. In an effort to stay abreast of various technologies and in recognition of the university’s innovative use of technology UNIT participated in a variety of external IT events including, Ellucian HE Summit, PA Banner User Group, Educause National and Mid Atlantic conferences, Blackboard User conference, CBORD User Group conference, CIO & Executive IT Summit Forum, the Philadelphia CIO Executive Summit ,Hobsons User Conference, and the National Association of Campus Card Users conference, Dreamforce-Saleforce Conference, An Event Apart—Web Design Conference. Villanova University is a member of the Dell Higher Education Advisory Council, a governing body member for the Philadelphia CIO Executive Summit, is a member of the Executive Advisory Council for the CIO Forum and Executive IT Summit, an Advisory Board member for DSS, an officer on the Advisory Council for Campus Cards, a member of ACUTA, KINBER, InCommon Federation, and a founding member of the Northeast eLearning Consortium, and a member of Educate Online’s Strategic Advisory Board. Our primary focus is to provide a value added portfolio of technologies and services and innovative new solutions/options to University faculty, staff, and students, colleges and departments. For the 13 th consecutive year technology utilization across campus has grown at a double digit rate as measured by both transactional growth as well as access to services. New applications and technologies continued to be introduced across campus and several are highlighted throughout this report. The landscape of higher education is changing with new academic, business, and delivery models. The university IT governance committee (UCIT) remained focused on the revised technology agenda for Villanova. That “agenda” has become the center piece for the university technology planning over the past three years, UCIT, the Faculty Advisory Group, and UNIT has continued to advocate and educate the community on the challenges and opportunities confronting Villanova based on clear academic, business, economic, social, and technology trends. The Technology agenda is focused on these programs and initiatives: Working closely with our governance groups, we strive to consistently align the University IT strategy to the overall University Strategy and key university and college initiatives/plans. Our strategic goals as noted are consistent with the University direction and account for the critical elements of our technology responsibilities. We are pleased to present the 2015 annual report and a sample of what we have accomplished together through a variety of technology based solutions and services and we look forward to the work that lies ahead.

UNIT partners with the Villanova Community to deliver IT Solutions and Services to support the campus. UNIT is committed to providing innovative technology offerings for wide and varied needs ranging from admissions and academic related technology, Mobile applications, Web development, BYOD trends and Support Services. UNIT strives to utilize current and emerging technology as tools to exceed customer expectations and create an effective collaborative environment. Wildcard’s Mobile ID UNIT's University Campus Card program deployed wireless access readers to the resident rooms in Stanford Hall. This initiative adds security and convenience; students can open their dorm room with a tap of their Wildcard or an app (CBORD Mobile ID) on a smartphone. Out of the 566 students that live in Stanford, 425 are using their mobile device for accessing their wireless lock. The wireless locks also integrate with the Housing Management System to seamlessly update access modifications. The new system was rolled out to 279 locations in Stanford Hall and replaces the punch code and key-based locks which enables Villanova to:  Control and update locks remotely  Open doors with a card or app (CBORD Mobile ID)  Eliminate metal master keys by temporarily elevating Wildcard privileges  Enact quick emergency lockdowns on one or thousands of doors  Audit door histories and alarm states The University Campus Card program introduced Mobile ID for vending inclusive of 29 vending machines located around campus that have been equipped with the Value Plus readers. This module of Mobile ID coincides with Mobile ID for access, laundry, and point of sale which were launched in 2014. Over 2,913 students have downloaded the Mobile ID application from the iTunes or Google Play stores since June 2014. At those 29 vending locations sales have increased by 20%.

Responsive Web Design UNIT & the Office of University Communication website development team launched the next-generation Villanova University website (www.villanova.edu) in January 2014 to address the increasing trend of websites on mobile devices (phones & tablets). The Villanova website now features responsive design technology, which directs villanova.edu to automatically configure to the different screen sizes of desktops, tablets and smartphones, while providing an optimal user experience on each device.

Permission Based Content (Secure AEM) & Secure Forms UNITs Web Services team implemented a ‘one-stop-shop’ for creating Permission-Based Content (PBC) for your web pages which displays content for specific groups, such as faculty-only, students-only, staff-only, etc. Previously, users were able to leverage SharePoint sites for this type of content. This feature allows for the ability to create that specialized content within your already existing AEM website, eliminating the need to have content in an outside or third-party setting. The content will be checked against whether or not a site visitor is logged in and having the appropriate permissions to view the content in question. Additionally, a new and improved way to create online forms in the existing web environment (AEM). Forms paired with Permission Based Content has the capability to limit access to certain audiences by requiring users to login to view the form. This is a security enhancement that will become the standard on all existing forms by Fall 2015.

Campaign Presence on Villanova Homepage In conjunction with University Communication & University Advancement, UNIT was asked to provide a campaign presence on the Villanova Website. The Campaign link provides a direct connection to the University’s Campaign “For the Greater Great”. This direct link provides all users with the opportunity to not only learn more about the Campaign but to be a part of the future of Villanova through many forms of giving opportunities.

NovaNow UNIT, in partnership with University Communications, launched a new mobile app for iOS and android users in August 2014, putting Villanova in the palm of your hand. NOVA NOW is the latest version of our mobile application with a number of design, content and functional enhancements to improve the mobile experience for students, faculty, staff, parents, alumni and prospective students who interact with Villanova's campus and community. Students are able to see their grades, course schedules and hold codes. The most used modules within the app are the course schedule and dining menu. The dining menu is updated in real time with the menus for various dining locations on campus; it identifies whether or not the dining hall is open or closed and nutritional facts associated with the meal options. In January 2015, the Nova Now mobile app was updated with an improved user experience, Campus Map, Nova Bucks accepted locations, password reset and more. Follett Discover for Faculty/Student Implementation In partnership with Follett, Villanova University’s Bookstore Management, and UNIT, a new suite of technology solutions were implemented including a transformation of course material adoptions through the Faculty Discover tool. This tool offers the following features: ‘Discovery’—enables instructors to explore a vast source of course materials including text book offerings , ‘Community’— enables the sharing of critical feedback on course materials with a repository of reviews and recommendations, ‘Adoption and Streamlined workflow: eliminates the paperwork and guesswork associated with submitting traditional adoptions, and Streamlined student access to course materials through InstantAccess TM.

Law School IT Enhancements UNIT continues adding technology enhancements to the VLS environment. One of the many technology initiatives was a refresh of the printer fleet at the Law School. This consisted of moving 39 Faculty & Staff Printers and 7 Student Printers from Cannon to Xerox vendors, as well as an upgrade to the Pharos Print Management System and integrating with the wildcard tap and go technology. Students can now send print jobs wirelessly and release jobs with just a tap of their Villanova Wildcard. Additionally all printer stations have been upgraded to high performance Xerox Printers to meet the Student Law Print needs. Over the last year, UNIT has made substantial upgrades to the Law School’s infrastructure by converting all classrooms from analog to digital, upgrading all classrooms to BYOD using Crestron AirMedia, replacing all of the classroom’s standard definition projectors with high definition projectors, enabling Mediasite capture for all classrooms, converting the Law School's digital signage system to the University's Rise system, upgrading classroom monitoring software from Crestron Roomview to Crestron Fusion, and completing the new collaborative learning space, The John F. Scarpa Center for Law and Entrepreneurship. Additionally, UNIT worked closely with the Law School Clinical Office to complete the migration of their case management (KEMPS) software to UNIT servers.

Connelly Center Campus Print Station UNIT responding to direct feedback from the student body and in continuous efforts to meet their academic/printing needs, recently completed installation of a new Campus Print Station in the Cyber Lounge of the Connelly Center. The print station features a high capacity printer in addition to four new vDesktop Terminals. This area is available for traditional and nontraditional students during Connelly Centers Open hours.

EasyVista (ITSM)—HelpDesk Ticketing System Upgrade UNIT has completed a multiyear project to replace and upgrade the departments IT Service Management System. The UNIT project team selected and implemented a Cloud based solution developed by Easy Vista. The Easy Vista solution was rolled out for campus use in February 2015 and follows the IT support industry best practices by keeping internal processes inside the ITIL (Standardized set of industry wide best practices for IT Management) framework. Easy Vista also contains standard service modules that will be utilized by UNIT; Service Management and Asset Management as well as expansion modules such as Project Management that will be assessed for later usage. Easy Vista also contains an enhanced Self Service option that allows for the Villanova community to easily request UNIT related services and solutions online.

Villanova Conference Center The Villanova Conference Center is undergoing many changes in order to enhance the customer experience. This year, the Conference Center’s Montrose Mansion was outfitted with a new audio system and digital cable TV. The AV additions were all completed without disturbing the architectural design of the historic Montrose Mansion. UNIT supported digital signage was added to all four floors of the building and a new four screen video wall was added to the Dining Room so guests can now enjoy any form of presentation, even in bright lighting conditions of the open architecture.

Schedulr UNIT in conjunction with the Registrar’s office released an upgrade to the Schedulr application. Schedulr is an application that is used by many students to provide a visual representation of the courses they are interested in enrolling. Schedulr has also been updated to adhere to the University’s branding strategy. The registration process is still maintained in myNOVA, Schedulr is a viewing tool only.

eScrip-Safe The Enrollment Management Office and UNIT have implemented a new transcript ordering process utilizing “Scrip-Safe International”, a secure on-line transcript ordering and delivery system. This system provides students with twenty-four hour access to on-line transcript ordering (Transcripts On Demand) through the vendor’s secure website. Allowing for all students to order transcripts, regardless of their date of attendance and provide automated communication to track ordering. This technology solution has immediately decreased the time in the transcript request process from days to hours. Additionally, secure integration points were developed so that current students can access Transcripts on Demand through the MyNova portal. Alumni and former students can order transcripts directly through Transcript on Demand website: https://iwantmytranscript.com/villanova.

Adobe Creative Cloud UNIT has partnered with Adobe for the entire campus by consolidating separate departmental Adobe licenses. This new agreement offers the Adobe Creative Cloud suite to faculty and staff for software distribution and online delivery which includes additional software programs. This gives users access to the full Adobe suite of software for graphic design, video editing, web development applications, and cloud services. Additionally, improvements have been made to the software delivery system that make this an easier and improved install experience for all faculty and staff.

UNIT partners with faculty to use effective teaching strategies enabled by an array of technology resources and services to achieve learning outcomes in traditional classroom, hybrid and distance education environments. UNIT is committed to enhancing faculty use of technology by providing a effective support structure. The Blackboard Learn portal, a core instructional technology, is integrated with many supporting learning technologies and the Banner information system to provide a rich, adaptable learning environment. Classroom Technology Upgrades UNIT continues to upgrade classrooms with enhanced technologies, 99% of all classrooms on campus are now digital and BYOD ready. The remaining classrooms in Garey Hall and Old Falvey are scheduled for updates in summer 2015 following facilities renovations. Upgrades occurred in Tolentine 216, Mendel 341, Mendel 290, SAC 110, 210, 310, 410, Garey 29 & 30 and all of the classrooms in the Law School. All of these learning spaces now include brand new projectors, digital switching systems, and automation. Additionally Law School classrooms now feature new Crestron programming to control these advanced AV systems along with full-featured automated Mediasite classroom lecture capture capabilities. EMBA classroom renovations in the Villanova Conference Center were completed in the fall. This upgraded room now features two 90” HD displays, one 60” touchscreen annotation display, one 24” Wacom tablet and BYOD support.

Special Projects In addition to classrooms, the Classroom Technologies team has expanded into designing, installing and supporting AV systems for conference rooms and other specialized venues throughout campus. The demand for student collaboration, flipped classrooms and lecture capture continues to grow due to its successful implementation across campus. These learning spaces allow faculty to teach from anywhere in the room, displaying any device wirelessly on a large format display. Groups of students are seated near other displays where they can also display their own devices wirelessly while collaborating with fellow classmates. In addition to the Bartley Technology Center, Villanova University now showcases student collaboration spaces in CEER 104 and LAW CEL (Center for Law, Entrepreneurship and Innovation).

CEER 104 is a new multipurpose lab/student collaboration space that opened this year. The room features one large format projector and projection screen and five individual pods with displays for students. A presenter can show content on any of the screens wirelessly from their device. Students can also present or work collaboratively at their pods wirelessly with iOS devices, Android devices or laptop computers. The room is all operated from a wireless control panel. LAW CEL, opened this year after renovations, brings all available technology to any meeting or seminar class. Viewing video clips via the web, sharing a screen from an iOS device and making Skype calls is all possible. There is a large presentation area with collaborative whiteboards and seating, and also a smaller pod area for smaller groups. A shared resident PC with wireless keyboard and mouse are also available in the spaces. Technology Services Building Conference Room (110) has been fully renovated. Following a facilities renovation this conference room now features new seating and tables, three flat panel displays and three cameras. Devices can be served to three separate screens for easy viewing while collaborating on different projects. This room is completely untethered and BYOD ready and can be controlled by a button panel on the wall or a wireless touch panel. Soon this space will support Mediasite lecture capture functionality and tie into other rooms in the building via a head end system. Other conference room upgrades this year include Garey 10A, Connelly Center Devon Room, Rosemont Room and Haverford Room. These rooms are ready for GoTo Meeting, Adobe Connect or Skype. Large format projectors and/or touchscreens have been added to accommodate the variety of needs in the spaces.

Adobe Connect – online collaboration Adobe Connect continues to be a highly utilized service via Instructional Technologies. Adobe Connect facilitates online teaching and learning by blending several technologies into a synchronous collaboration tool: web cam integration allow faculty and students to see each other, Voice Over Internet (VOIP) connects users microphones to support discussion (together web cam and VOIP – bring a level of personalization difficult to achieve in other online mediums), document sharing and markup, desktop sharing, and the ability for instructors to poll their online students to gauge instant feedback. Together with technologies such as myMediasite, Adobe Connect has seen a growth in use outside of standard online programs as these technologies are also adopted to mitigate class cancellation to due inclement weather, support faculty who may be traveling or otherwise have a conflict with class time, hold online “office hours” or support new models of teachings such as flipped classrooms. Faculty may request an account via an online form located at: http://www1.villanova.edu/villanova/unit/instructionaltech/blackboard/ adobeconnect.html. In the Fall ’14 semester UNIT began providing backup support to programs that utilize the University Alliance learning management system. University Alliance had transitioned from Blackboard Collaborate to their own instance of Adobe Connect, but due to technical challenges they faced, Villanova staff provided time, training, resources and approximately 40 accounts on the Villanova Adobe Connect system to faculty who teach in the University Alliance partnered programs.

Blackboard Analytics and Blackboard Outcomes Two important supplementary systems have been added to the suit of Blackboard tools available to the Villanova University community. Blackboard Analytics for Learn will provide a deeper data-driven view of faculty and student interaction with Blackboard. Blackboard Analytics further enhances the course reporting capabilities in the learning management system by adding additional reports from within the course; these reports allow faculty to identify students at risk by plotting out the number and averages of student interactions within the course. Faculty can easily see how many times a student logged into their Blackboard course, the number of items read and the number of items posted. If they choose, faculty can enable a report for students so that they can see their own data as compared to a class average. Blackboard Analytics is further supplemented with the Pyramid application. Pyramid brings together the datasets of Analytics and produces powerful graphic displays of that data to more visually capture trends. Over the next year, UNIT staff will work with deans and department chairs to determine which of these graphics are most important and who should have access to the reporting tool. Blackboard Outcomes is a compliment to several programs as a tool to determine if learning goals are being met successfully. Program owners help define signature assignments at the course level; these assignments are then captured and can be scored against program level assessment rubrics. Program owners can also define reviewers who can be the faculty of the courses but can also be independent reviewers. There are currently eight pilot groups using Blackboard Outcomes from across the university: Business, Education and Counseling department, IGR, Engineering, Theology. Augustine and Culture Seminar (ACS) will also be included as we transition their use of a Blackboard organization to Portfolio assignments that are then collected in Blackboard Outcomes.

Blackboard LMS Enhancements Blackboard LMS utilization has grown both in supplementary use for in-class instruction as well as the successful launch of online programs. Pearson/Embanet led programs in both the School of Business and Law school went live in the Fall ’14 semester. Based on feedback from the MBA program, UNIT staff have since contacted Pearson/Embanet instructional designers and laid out modifications that would better compliment the university’s Blackboard system. Blackboard at Villanova is currently on the “Learn 9.1 April 2014” release which includes the following updates:  Anonymous and Delegated Grading – instructors can hide student names from submitted assignments for anonymous grading or choose to delegate grading to specific users,  Better Safe Assign integration – Safe Assign is no longer a separate tool in Blackboard and can be added to any assignment UNIT Annual Report—Teaching Learning & Research

collection, faculty use of Safe Assign will mean they can still take advantage of the inline grading features of assignments 

Portfolio enhancement – Portfolios are now available via the Global Navigation Menu allowing students to access their portfolios from within any course.

Frames have been completely removed in this version of Blackboard, this improves accessibility making it easier for users of screen readers to orient themselves on the page and more successfully navigate the online course. Moving forward the elimination of frames will be an important step to future UI updates that include responsive design. Enhancements such as Significant Figures to the assessment engine inside of Blackboard’s quizzing tools will provide better reliability for calculated question types; in addition, leading zeros will now be calculated correctly. A native Student Preview option replaces the third party app Add Test Student. Student Preview allows any instructor to not only view the course as a student would, but also take assessments and experience retrieving grades from the student perspective. When finished using the Student Preview mode, instructors have the option of keeping preview account data associated with the course or removing that data completely. In course reports have been enhanced and include a Single Course User Participation Report; UNIT staff have worked closely with representatives of the Bursar and Financial Aid offices who are now capable of accessing Blackboard courses and using these incourse reports to better determine participation in online courses as is increasingly required to determine student financial aid disbursement and/or refunds. Administrative areas of the university have embraced use of Blackboard as well. Human Resources began using Blackboard for their “Learn @ Nova” initiative. Learn @ Nova collects benefit orientation materials for onboarding new employees. All Villanova staff have been enrolled as participants to the Learn @ Nova organization in Blackboard. With help from UNIT staff, Human Resources has also begun development on a “Learn @ Nova – Supervisors” organization this will supplement information that all supervisors will require. Blackboard has also been used to distribute the IT Security Awareness training that is now mandatory for all Villanova faculty and staff per the communication from Father Donohue and the Office of the President that was sent on March 26. Lastly UNIT staff have been working the University Compliance Office to build into Blackboard the processes by which they capture program registration as relates to minors on campus. Program directors in which minors participate can register their programs, store necessary information such as participant rosters, and upload documents that may be required by law such as background checks. Blackboard mobile enhancements now include the Blackboard Grader app. The Blackboard Grader app allows faculty to assess students while on the go. The Grader app supports feedback than can be wither audio based or video based. Inline viewing of the assignments submitted by students to Blackboard allow faculty to stay on top of student progress. The Grader app is seamlessly integrated with Blackboard Learn; any grades or comments entered will also be available when faculty later logon to Blackboard from their computer.

Faculty Technology Services Website At the request of the Faculty Advisory group the creation of the Faculty Technology Services (FTS) website was a collaborative endeavor representing the work of several UNIT departments. Information was aggregated from other UNIT websites that were believed to be most relevant to faculty. A promotional video was created by UNIT’s Media Service group, highlighting the main theme, “What can UNIT do for you?” An info graphic containing all of UNIT’s services geared towards faculty was also created. @UNITfacnews is a twitter account created and targeted towards Villanova faculty. Tweets from @UNITfacnews are embedded on the Faculty Tab in myNova as well as viewable to faculty-only in the Blackboard system. Types of communications relayed on @UNITfacnews include: system outages, security awareness information, and highlights of UNIT services. Other information on the FTS website links to faculty support for eLearning, production services for multimedia, assistive technologies, academic infrastructure services, information about the upcoming faculty laptop refresh,

Video Production There has been a significant expansion and improvement of UNIT’s video studios, over the past year. UNIT now has two broadcast quality live insert studios and a third coming online over the summer. These studios are utilized to create highly produced lectures for both on ground and on online courses, including content for Bisk and Pearson/Embanet. In addition to all of the other recordings for departments and faculty UNIT’s broadcast studios were used 16 times in the past year to connect expert faculty on campus with 9 different broadcasters; MSNBC, Al Jazeera America, ABC Local, ABC World News, Bloomberg TV, CNN, Wall Street Journal Live and NBC. This year’s video production highlight was a video produced for University Communications to run in Times Square during the Big East Men’s Basketball Championship. The potential daily viewership of the Times Square ad was 1.5 million a day. The video produced for the ad was also used in digital fan guides for the Big East Tournament and NCAA Tournament.

The instructional video design process is performed for all educational/instructional videos and consists of an initial consultation, defining critical and relevant instructional design elements (e.g. intended performance outcome, learner/viewer analysis, and task analysis), storyboarding, project timeline development, recording, editing, post-production, and distribution. Staff members discuss, develop, and outline each element in collaboration with University faculty/staff member(s). Multimedia services staff members lead the requesting University faculty and staff member through this design process to ensure that each video supports a specific teaching and learning goal, consists of professional quality video/audio/imaging, and meets all project milestone and deadlines. Multimedia services staff produced 406 (145 internal and on ground, 218 Pearson-Embanet, and 43 BISK) educational and instructional videos for University faculty and staff, over the past year. Videos range across the University academic colleges and University administrative functions, including instructional videos for the VSL’s Moot Court Competition Legal Writing program, “flipped classroom” lab preparation for the Chemistry department, implementation of Two-Factor Authentication by UNIT, among many others. These educational and instructional videos were recorded within the two University production studios, with post-production editing performed exclusively by Multimedia Technologies staff. Each video is a result of a formal instructional video design process and procedure where Multimedia Technologies staff collaborates and consult with requesting University faculty and staff members.

Lecture Capture System Upgrade The campus lecture capture and video delivery system, Mediasite, was upgraded to version 7 over the last year. This upgrade provides enhancements not only to the classroom recorders but to the MyMediasite application as well. Users can now record both their camera and screen synchronized in real time via the MyMediasite application. In addition to the core elements depicted below we also support in excess of 40 academic and discipline specific applications many of which, are accessible via Citrix or vDesktop. Working with each of the colleges, we will continue to enhance the portfolio in 2015 with the addition of analytics and outcomes reporting.

The technology infrastructure is the foundation for the information systems, applications and services that support critical university processes. UNIT takes a holistic view of the current technology trends (consumerization, mobility, BYOD, user expectations, personal cloud services, increasing speed of technology change, rapid data growth) and their profound impact on the technology direction for Villanova. UNIT strives to develop an adaptive technology infrastructure that is scalable, agile, reliable, accessible and secure in support of the university’s goals.

Adaptive Infrastructure @ Villanova

Strengthen the Data Network The impact of technology trends continues including increased mobility, growth of devices per student, the Internet of Things, increased streaming video content, and rapid technology changes. The campus data network is an essential component of an agile, adaptive infrastructure. Villanova’s data network is comprised of the following components: Core network, campus Internet connection, inter-building fiber cable, intra-building fiber cable, data switches and wireless/wired data connections.

The Core network was improved with replacement of the core routers that provide increased capacity, speed and reliability

The campus Internet connection was significantly improved to provide 3GB capacity, a 250% increase. Villanova joined KINBER and the Pennsylvania Research and Education Network, a high capacity high speed network. PennREN provides an additional Internet connection, increased Internet2 capacity to support research, and faster direct connectivity to major content providers such as Google, Yahoo and Netflix

Wireless Network Upgrade Changing utilization trends and trends in technology and the growing needs of the Villanova community necessitate improving the wireless network to continue to provide fast, secure and reliable network access efficiently. A multi-year plan to upgrade the wireless network kicked off in 2014 beginning with Stanford Hall, St. Claire, Jackson, St. Mary's Hall, Gallen Hall, Farley Hall and Connelly Center. New technology wireless Access Points were installed in-room for improved coverage. The building fiber cable and data switch network connections were upgraded to increase capacity, speed and reliability. A new Guest Wireless access system was deployed that allows visitors secure access to the Villanova campus network.

Next Generation Storage UNIT’s TSS and Operations teams implemented two new next generation storage arrays. The first storage array was installed in the VLS Server Room to support the expansion of vDesktop- Villanova’s Virtualized Desktop Solution. The second array was an upgrade to the existing storage array located at Villanova’s off site data center. The next generation storage arrays allow UNIT to better manage storage performance by including newer solid-state disks drives within the array. Additional functionality within the array dynamically manages workloads allowing applications and services that depend on storage performance to operate optimally.

Expansion vDesktop (Virtual Desktops) UNIT’s vDesktop expansion focused on three specific areas of improvement: mobility, simplicity and security. To improve on mobility, standard applications such as Microsoft Office 2013 and SPSS are now available to students, faculty and staff from any location on-campus or offcampus. Along with standard applications, each user who logs in has access to additional department, college and/or course-specific applications. Additional academic applications are continually added to vDesktop. To improve simplicity, vDesktop applications and desktops will now run in a browser tab if necessary. In lab locations, thin clients have been upgraded, reducing energy consumption and login time. Finally, improvements to better protect off-campus access were completed. All desktops and applications launched from the vDesktop website are encrypted through a secure virtual appliance.

Server Refresh UNIT continued with the planned server refresh strategy that will improve efficiency, security and reliability by replacing older less efficient servers with more powerful and energy efficient technology. These technical improvements support workload consolidation which allows reductions in power/cooling costs because more powerful workloads are running on fewer individual servers. Today, there are approximately 500 servers in totality of which 75% are virtualized.

Data Center Renewal In 2010, the University Data Center was moved to DSS in Reading, Pa. in order to improve the performance, reliability, security and efficiency of the Data Center. Villanova’s initial hosting agreement with DSS will conclude in May 2015. UNIT renegotiated a five year renewal with DSS which included additional services. Villanova has the opportunity for cost savings by the annual server refresh strategy, virtualization consolidation, and SaaS cloud implementations. Villanova can now accommodate continued growth at a low fixed cost. Included in the renewal is an upgrade of the core networking equipment at DSS from 1GB to 10GB connectivity.

Information is a critical University asset that must be protected. A key goal of UNIT is to provide a comprehensive, pragmatic security and information protection program. UNIT accomplishes this through proactive assessment of vulnerabilities, developing robust information security policies, implementing technical measures to protect campus resources, educating users about security related issues, and developing mechanisms to react to incidents and events that endanger the University’s information assets. IT Security and Information Protection Strategy The University IT Security and Information Protection strategy is critical for preventing and reacting to emerging risks associated with the University’s diverse slate of IT initiatives. The goal of the IT Security and Information Protection strategy is to mitigate risks with appropriate consideration of prevention, detection and response mechanisms. UNIT takes protecting Villanova University, its intellectual property, and any personal or confidential information extremely seriously. The incidence of new data breaches such as Sony and Home Depot is frequent. Higher education is not immune to this troubling trend. In 2014, data breaches were reported at 30 colleges and universities. Avoiding a disruption to campus operations and safeguarding personal information, confidential university data and intellectual property are paramount to protecting Villanova.

IT Risk Assessment Risk assessment is the practice of identifying threats and vulnerabilities to data, systems and processes. In 2014, a risk assessment taskforce was created to examine the risks and controls as they relate to processes, people, technology and governance. Since the issuance of the initial IT Risk Assessment report, progress was made toward addressing and mitigating the identified IT Security risks. The following highlight the results from Phase I: 

Revamped our approach to network segmentation from physical to virtual

Encrypted all Banner databases

Enhanced real time malware protection

Installed new Next-Gen Internet Firewall (s) to protect campus

Recommended and began implementing “Security as a Service” with 7 by 24 monitoring using best in class detection tools

Included hard drive encryption for all staff computers and individually identified faculty computers as part of the planned 2015 PC Refresh. Continued community outreach to ensure mandatory participation in the University IT Security Awareness Program

Executed an initial Penetration Test completed in September that focused on select information assets and infrastructure to determine a baseline of risk. No major issues were reported. A second Penetration Test focused on areas of significant vulnerability was completed in February. UNIT is reviewing the results and will provide recommendations and actions in June, 2015.

The Novasis environment was added to the risk assessment project due to the age and state of the technology environment and all risks have been remediated.

Developed and implemented the Computer Timeout policy

New security threats were added to the initial IT Risk areas: 1.

Mitigate potential of business disruption via denial of service attacks (DDoS)

2.

Validate virtual desktop infrastructure (VDI) infrastructure

3.

Assess potential risks associated with the “Internet of Things”

4.

Focus on point of sale (POS) systems

Other University areas are contributing to improving IT risk.  The Finance and Insurance & Risk Management have substantially improved the cyber security insurance coverage for the university following a comprehensive review.

IT SECURITY AWARENESS CAMPAIGN A key element of Villanova’s IT Security and Information Protection Strategy is the IT Security Awareness program which focuses on the often over-looked “human” element. Villanova has a commitment to ensuring that employees and students know and understand their information security responsibilities. With support of University leadership, the University Security Awareness program was launched in 2014. UNIT provides online video training materials for the entire community that provide students, faculty, and staff an understanding of the risks in using today’s technology, their responsibilities and how to effectively defend against today’s cyber threats, both at work and at home. The security awareness program is designed to ensure that University students, faculty, and staff are aware of their responsibilities and that they may be targets. The program intends to strengthen an individual’s understanding of how to use technology securely, and, ensures that Villanova remains compliant, in the face of security challenges. By teaching students, faculty, and staff the indicators of a security compromise, and how to report such incidents, Villanova goes beyond prevention, and creates a proactive and resilient approach to IT security and information protection. To date, many University areas, including UNIT, Finance and Administration, Athletics, and Facilities Services have completed on-line training. UNIT has partnered with departments to provide customized UNIT Annual Report—Security & Information Protection

training specific to college/departmental roles and responsibilities. In early 2015, Villanova’s President shared his vision that the program be mandatory campus-wide, and completed by May, 2015. Many University employees have completed the IT Security videos.

PCI Certification Throughout the past year, UNIT, in partnership with Financial Affairs and other key University business areas, has maintained the university’s PCI compliance certification. This effort ensures a secure environment for University credit card processing . UNIT continues working with University business areas on annual, bi-annual, and quarterly technical and policy-related activities concerning the maintenance and management of PCI certification.
