Item 1: Introductions: (if any new members present) • 7 members present plus 1 Administrator Item 2: Acceptance of the agenda  Agenda accepted Item 3: Principal’s Report • 30 Kindergarten registrations so far • Ready Set Learn 1:00-2:00 pm on Wednesday February 27 th to introduce parents of three year olds to our school. The Community Center, Health Nurse, community church day care all invited. PAC will have a table there.  Coral and Aaren volunteered Item 4: Executive Reports a. Treasurer’s Report (Carolyn) • Will begin producing a monthly statement for review. • General account balance: $7146 (will be closer to $6500 once cheques clear) • Gaming account balance: $233.69

Trying to determine how much of the Teacher’s consumables money has already been spent Fraud investigation has concluded

Outcome: We will be reimbursed for the cheque that was cashed so that a new cheque can be issued to the child care provider. Now we are able to move our accounts to a new financial institution. b. President report (Mercedes) • Nothing to report c. VCPAC report (Coral and Mercedes for Amy) • Eileen Eaby is the Coordinator of the 1000x5 program which supports early literacy (05yrs). According to research, the single most important factor to literacy (and success at school) is having books in the home from a young age. Action item:  Amy will promote the 1000x5 program on our fb and blog and remind parents that it is ongoing Item 5: Business/Action items arising from previous minutes: a. Earthquake Committee Report (Conan) • the earthquake kits have arrived and tubs are needed for the extra supplies (will be stored in kiosk) Action item:  Conan and Joe will sort through the kiosk and come up with a final list of extra supplies to be purchased by the PAC (waiting for dry weather) Suggestion: When pricing items, check XS Cargo for tarp specials.  $500 pre approved by PAC for Conan to pick supplies up as he comes across them and take advantage of sales. b. • • •

Review of first Parent Education Night (Mercedes) 30 rsvps, 17 parents attended 9 kids at child minding (2 sitters and one adult) In April, Benula will present another workshop titled “Building Resilient and Confident Boys and Girls”

c. Communication Boards (Carolyn) • 3 quotes have been collected (Fast Signs, Sign of the Times and Alley cat Signs) • Have decided to go with a digital reader board rather than the letter board style • Location will be above the Visioning Map at the front of the school Action items:  Carolyn to continue research and present Executive with all of the options so that a decision can be made  Mercedes to schedule an Executive Meeting-Wednesday, April 3rd? d. Corporate Funding- Bayview (Mercedes) • Meeting with Bayview at 9:30 am next Monday


Bayview has already met with Admin and have talked about possibly supporting Fine Arts in the school or the Breakfast program (if needed)

Action items:  All available and interested members to attend meeting  Mercedes will provide a “Wish List”

e. Bank change (Carolyn)  The decision was made to switch our accounts from TD Canada Trust to Coast Capital for two reasons: (1) Better opportunities for sponsorship through Coast Capital; and (2) no service fees.  In anticipation of new cheques needing to be printed, it was proposed that we change our group name to “Vic West Elementary PAC” instead of “Victoria West School Community Association”, to better reflect that we are firstly focused on “parent advisory” activities, rather than “community” activities. ALL AGREED. Action item:  Carolyn and Mercedes to arrange schedule and make this happen f. •

g. Yoga Mats (Mercedes) • 2 studios have offered • Mercedes will continue to work getting more donations for the Teachers. h. Rain Garden (Aaren) • Capital Iron donated tools and would appreciate some follow up (pictures, letters for the kids, etc.) • Plant program is starting after Spring Break Action item:  Aaren to check in with Student Teacher and try to get some pictures for Capital Iron Item 6: New business a. (Mercedes) • Aaren spoke to the Choir Coordinator (Stephanie) and the Music organizer for Vic West Fest (Mike) about allowing the Vic West Choir to perform • Mercedes spoke to Rachel about the VWCA’s interest in connecting with students (Green Team?) re: the Zero Waste Vic West Fest – students to help with recycling Outcome:  Stephanie and Mike will sort out the details of the choir performance  Administration will speak with Rachel about the need for parental supervision when having the students off site. e. Purdy’s Fundraiser (Aaren) • Requires a minimum order of $400 for 25% profit • No time to run for Easter but could be the Christmas fundraiser instead of magazines next school year. Other fundraising notes: o Next year Shelley will be doing her own “entertainment books” fundraiser for the school and so the PAC will not run a competing program o Coral will look into Mabel’s Labels http://www.mabelslabels.com/ as a possible fund raiser at the end of the year when parent’s purchase school supplies. o Amy to promote Penny Drive at May’s Garage Sale f.

Facebook (Mercedes) • Was wondering about increasing privacy so “friends” do not see posts made to the Vic West fb page Outcome: PAC not willing to increase privacy in case parents are excluded. Instead, recommend to friends to change their settings so that they do not see your every post.
