Collect info from Event Manager - meet as needed to review project details and interest items Assign due dates and graphic designers in PR Scheduler on the L-Drive - Marketing folders Review budgets for projects and confirm all invoices before sending to AP Press Release Write release draft and secure OK from Event Manager and Dean Collect photos or images if available Write/revise final draft of release - secure approval Distribute release to SUU PR office and others as needed Develop story ideas for feature stories and contact media accordingly PSA Write draft of PSA - typcially 15 second and 30 second Secure approval Distribute PSA to media Web Listings Post info on SUU.EDU/ARTS page and Arts & Entertainment Calendar Post info on KUER, Cedar City and other Web calendars, plus website annoucements Create webpage if applicable Posters Develop required information for poster (check perf rights contracts listings requirements) Meet with graphic designer Review first draft of poster design - seek apporvals Review final draft of poster - approve Confirm printer, paper and PO paperwork Email or deliver graphics file to printer Pick up posters Distribute posters - on and off campus Flyers Develop required info for flyer (may be downsized version of poster) Review and approve Copy Mail on campus Mail off campus (if applicable) Programs Secure info for progam Secure photos if required Review program design w/ Event Manager and Graphic Designer Write program copy (music program only cover and inside front/back) Submit copy to graphic designer Review first draft - approve Review Final draft Advertising Verify budget and funding source(s) Gather media ad rate information Secure info for print or broadcast media ads Provide graphic design with print ad specs Finalize ad contract and insertion deadlines Review draft ad or script - secure approvals Review final draft of ad or script - approve Submit print ad in proper file and resolution format Produce radio ad or submit script to station to make commercial Review final invoices and approval as required
