PRESIDENT’S REPORT The AGM is always a good time to reflect on the past year, the highs, the lows and the "what could have been." In many ways 2014-15 was a wonderful year in terms of success on the track, but it also presented some challenges which must be addressed for the club to move forward and build on and consolidate success.

To understand the progress made it is worth revisiting a list outlined by Wal Robinson at the last AGM to assess what progress has been made. Like any organization, we need to monitor and record progress against the objectives we set ourselves. Almost like a set of KPIs. The list outlined by Wal is: 1. Recruiting new members. 2. Establish a home base. 3. Determine what coaching is required and how will this be provided. 4. The ability to provide officials on a regular basis to fulfil our obligations with Athletics Victoria. How have we progressed? 1. Recruiting. This is a continual challenge and is something all club members need to actively work on. In this regard we have slipped a little on last year. Club membership was 46 registered members which compares to 55 the previous year. While not alarming, the issue of recruitment and retaining members is of critical importance. The committee has initiated discussions with the Victorian Business Runners (VBR) in an attempt to form an alliance between our two organizations and give us access to an alternative cohort that may be inspired to join St Stephens. You would have recently received notification from Greg Schofield of a run organized by VBR. I urge you to participate if possible as these alliances only work if we get "buy in" from our members. It takes time to develop relationships and we can only do that by extending a hand and making it clear that others will benefit by joining us. But to do that we may have to initiate contact. 2. Establish a home base. The Committee has been focussing on this aspect of the club's development for some time. As indicated in previous editions of The Journal we have instigated discussions with Boroondara Council and are hopeful of concluding an arrangement in the near future. Our aim is to have a training base with facilities that will encourage social functions to bring all club members together in a relaxed and inclusive environment and make prospective members want to join SSH. We believe that once we get a "base" many other challenges will fall into place. Recruiting is one. It should be much easier to attract new members. 3. Coaching. A club coach is a major issue and challenge for the club. As indicated last year, Wal is still keen to coach existing club members, but does not want to be obligated to contribute as much as he thinks the club requires. With Wal winding down, the club needs to make a decision about a replacement. Do we seek the services of a permanent club coach who is paid? Do we try to find a volunteer? A decision has to be made about how we approach this challenge. If we seek the services of a paid coach how do we pay for him/ her?


4. Officials. The perennial problem of supplying officials on a regular basis is, unfortunately, not going to go away! Last track season we introduced a schedule which asked all members to commit one day to this role. The system was overseen by Sarah Hall who did a wonderful job and must be thanked for her contribution to this task. While not perfect, introducing a schedule did make it much easier to manage our commitment. Thanks to all who participated. It is much easier, and fairer, if as many as possible contribute a little, rather than 3 or 4 do the bulk of the work. On this note I must thank Wendy Sharpe, Michael Goerke and Stu Cooper for their continual help in this regard, particularly over the cross country events. The club is indebted to Wendy, Michael and Stu. So we have made a lot of progress, but there is a lot more to be done. In the past year the committee benefitted from the input new members, Sarah Hall, Lachlan Aspinall, Alice Carter and Luke Frazzetto. They are all valued members of the club and I look forward to their future contribution to the development of SSH. I must also thank the other committee members, In particular Pat Robinson who once again has put in a sterling effort as Club Secretary. The club would not function as smoothly as it does without Pat. Also thanks to Peter Westwood, Michael Goerke, Greg Schofield, Stu Cooper and Alex Nolan for their contributions. The committee stands willing and able to face the challenges outlined in this message. We can get so far without you. We can go so much further with you! So with that in mind please think about the role you can individually play to ensure this great club not only exists, but thrives in an environment where competition comes from all avenues to attract people's attention and distract them from committing to one activity such as athletics. SECRETARY’S REPORT It is with pleasure that I present my Report for the year ended 31 March 2015. Membership The number of registered competing members in 2014-2015 was forty-six (34 male and 12 female) compared to 55 (42 male and 13 female) in 2013-2014, a decrease in membership of nine. Of the forty-six members 36 were open age and 10 under age. Winter Competition The 2014 cross country season was a very satisfying one with Men’s Division 2 being promoted to the Premier Division in 2015 with only one year in Division 2 after promotion in 2013. This was a wonderful effort by all concerned. There were many notable individual performances throughout the course of the season and congratulations go to Lachlan Aspinall for his win in the Men’s Club 8km Cross Country Championship and to Sarah Lester who won the Women’s 4km event. Again the club appreciates the efforts of our Cross Country Captain, Greg Schofield, and the support given by Wal Robinson. Summer Competition With only 10 rounds of Shield competition and the season finishing in January it was a very short season, particularly for those athletes who do not compete in Championships and high level competition. Three rounds of Zone v Zone were introduced and incorporated into the Shield competition. White Zone competition was mainly conducted at Nunawading with 2 rounds at Ringwood, 1 at Casey Fields and 1 at Doncaster. Our men’s and women’s D1 teams each finished in 4th position and the men’s U18 was 5th on the ladder. During the season one Relay and four individual records were broken as well as a number of personal best performances being achieved. The Milers Club attracted quite a few of our athletes resulting in many PB performances. Congratulations to Xavier Smith for his Gold medal in the U18 1500m and Silver in the 800m at the Victorian All Schools T & F Championships as well 3rd in the U18 1500m at the Australian Junior Championships in Sydney and another Bronze in the Open 1500m with a personal best performance at the Victorian Championships Congratulations also to our Bronze Medal team (Shaun Geraghty, Cameron Clayton, Ben Buckingham and Lachlan Aspinall) for their efforts in the Men’s Open 4 x 800m Relay at the Victorian Relay Championships in a Club Record time. Coaching The club is indebted to the untiring efforts and dedication of our coaches and their services are very much appreciated – Wal Robinson in his role as Club Coach had training sessions with his group two days a week. Jake Pedley continued to coach some athletes at Wesley College on Thursdays Nick Bowden continued to coach a number of our talented athletes. Officials All clubs are required by Athletics Victoria to supply helpers at Cross Country, Shield and Championship events. Sarah Hall tackled the onerous task of setting up a roster of our members to work on the days SSH were required to supply helpers at Shield competition and the All Schools Championships. The Club is most appreciative of Sarah’s contribution and the assistance provided by our volunteer helpers. The club acknowledges the dedicated service to athletics of Peter Westwood who was an appointed Athletics Victoria Official each week at both winter and summer competitions.


Newsletter Stuart Cooper continued in his job as Editor and produced his usual high standard publications of “The Journal� and the club thanks Stuart for his sterling efforts. Copies were sent to members online as well as a copy being posted on our website. Thanks also to Greg Schofield who still printed copies for distribution to life-members and associates who were not able to receive a copy online. Sponsorship The annual Sponsorship by an SSH donor for 1 male and 1 female Wesley or other U20 athlete was awarded in 2014/15 to Tom Thorpe, Wesley College, and Georgia Kovats, Canterbury Girls Secondary College. Fundraising and Social There was not much fundraising activity in the past year due to our Social Secretary, Andrew Nagle, having a very heavy work commitment. As a pre-Christmas get-together a fun social evening was held at the Burwood Bowls Club where members tested their skills at lawn bowls and enjoyed the pizzas that followed. Thank you to our President, Greg Nolan, who again kindly offered his home for the 2013/14 Annual General Meeting, barbecue and Presentations, and to Greg Schofield who continued to make his home available for our committee meetings each month. In conclusion, I wish to thank President Greg Nolan for his leadership over the past twelve months, Treasurer Michael Goerke, Minute Secretary Sarah Hall, Wal Robinson for his support and our new young committee members for their enthusiasm and valuable contribution. COACHING REPORT I suppose my last Coach’s report for SSH should be one of wisdom and reflection, but it’s not! Just a little bit though! The last 15 years have been marvellous, both for SSH and for me personally, P.B’s, Club Records, Premierships and our Premier League Men’s X.C. team are highlights. Thank you to Pat, Greg, Greg and the Committee as we see a changing of the guard taking place. Thank you to our excellent coaches Nick Bowden and Jake Pedley. All of you above Saints, with the athletes and officials have put SSH in their strongest position in 30 years. The next move the Club makes with coaching will be vital because athletes are drawn to successful coaches. That means that professional coaching will become essential. That in turn with a home base will mean increased fund raising and recruiting. Recruiting is the constant in all of this and has been for 107 years. Good coaches bring recruits as Nick’s group has done! The Wesley association has been successful. We should recruit from schools in our area as we have done in the past. The athletics scene is changing again. The Relays and X.C. have become the only team oriented competitions. Shield is dying but hopefully won’t go away as A.V. continues to delete it ending their season in January with Club athletes having a 3 month break. Thank heavens for Miler’s Club, etc. Good luck to you all! As a Life Member I will continue to assist SSH wherever I can and to coach my group to help them achieve their goals. Wal. Robinson

CROSS COUNTRY REPORT FOR 2014 The 2104 cross country season changed SSH. The MO Div 2 graduated to premier league 2/14 on the season aggregate, and WO Div 2 retained its midfield position of 7/11. Online registration for XCR was fully adopted in 2014, reducing the work for club registrars. Round 1 3rd May, Jells Park 6k legs SSH burst into the 2014 XCR season and stole the first place in MO Div 2 team. Jells park turned on heavy rain during the later stages of the event, and the SSH team huddled under the SSH tent sheltering from deluge. In spite of this, Jells Park was a strong start for the 2014 season. MO Div 2 MO Div 6 MO Div 7 WO Div 2

Round 2 17th May, Lardner Park 8k MO 4k WO Lardner Park is located in the beautiful Gippsland hills and the rural setting provides quality cross country across waterways and over fences. This race incorporated the SSH cross country championships for the Langford and Robinson trophies for men and women respectively which are part of our club tradition.


Congratulations to Lachlan Aspinall (8k 27.18) who took out the SSH Langford Trophy for 2014 and to Sarah Lester (4k 14.52) who won SSH Robinson Trophy for 2014. SSH scored two firsts: MO Div 2 1/14 1st on the progressive ladder WO Div 2 1/11 3rd on the progressive ladder. Round 3 31st May, Brimbank Park MO 16k WO 6k Brimbank proved again to be an athletic challenge, with an outstanding performances from Jamie Wagstaff (16k 56.36) and Georgia Kovats (6k 25.23) and three MO times were less than the magic 60 minute mark. Sam Quirk missed by 6 seconds! Great performances! Our running heritage was on display at Brimbank by the wearing of old SSH singlets. Team places were WO Div 2 6k 5/12 MO Div 2 16k 2/14

Round 4 21st June, Bundoora Park MO 12k WO 8k Mount Cooper challenges all comers to Brimbank! The Bundoora Park meet is the selection trials for the Australian Cross Country Championships in the WO 8k and MO 12k. Jamie Wagstaff showed consistency with his race, 12k 25/380 41.09 and Whitney Sharpe ran strongly in the 8k 60/197 34.33. The Bundoora results were MO Div 2 2/14 1/14 on the progressive ladder MO Div 6 11/12 on the progressive ladder WO Div 2 9/12 4/12 on the progressive ladder Round 5 12th July Sandown road relays 6.2k Sandown is a great venue when the weather in kind, and this proved to be the case. Greg Nolan, Wendy Sharpe and Michael Goerke officiated for AV officials on our behalf. We would not be a registered AV club without such volunteers. SSH held onto its position on the ladder by the end round 5. In our MO Div 2 team, Lachlan Aspinall ran a scorcher of 19.53 and Stephen Rennick was not far behind at 20.54.

Round 6 3rd August 10k Road Race Albert Park SSH maintained its strong position at the Albert Park 10k. Lachlan Aspinall fell heavily in the first few metres and soldiered on bloodied, and Stephen Rennick maintained a strong lead right through the race, but was just pipped by Lachie at the final leg into the Lakeside stadium. What a come back! Whitney Sharpe ran a sub 40 minute scorcher! We welcomed back Luke Frazzetto, and James Christensen to compete with SSH after injuries. MO Div 2 MO Div 6 WO Div 2

Round 7 August 16th Lake Wendouree 15k Road Race Ballarat turned on bracing weather for the Lake Wendouree 15 k. The wind blew from the south east and provided challenges on the upwind legs. Our top four athletes, Lachlan Aspinall, Steve Rennick, Sam Quirk and Ben Buckingham put in extraordinary times, and Luke Frazzetto and James Christensen returned from injuries and continue to improve. Unfortunately our WO did not make up a team even though we had Whitney Sharpe, Sally Naylor and Alice Carter (four required for a team). MO Div 2

Round 8 September 7th Burnley Half Marathon The Burnley half marathon was run in near perfect, sunny and calm conditions, and thanks to the sterling efforts of Kevin Craigie, Lachlan Aspinall, Ben Buckingham and Alice Craigie, we managed to fill our MO div 2 team and keep SSH competitive in the aggregate scores. We thank those who came to support and barrack for the team on Sunday morning. MO Div 2

End of season results For two years in a row our top MO team have performed brilliantly, leapfrogging from Div 3 in 2013 to Div 2 in 2014 and graduated to Div 1 for 2015. This is a truly remarkable result and a credit to our top MO athletes. It is my hope we can retain our position, continue to recruit talented runners and to hold our position in the premier league and to encourage our WO team to work up to the WO premier league Div 1 in 2015. I am grateful to all those who have lent their support to SSH. As ever, Wal, Pat and Nick have made my job easy and their efforts are appreciated. Greg Schofield CC Captain 2014

WOMEN’S TRACK AND FIELD REPORT The 2014/15 season saw St Stephens Harriers produce another women’s team full of potential and determined to make the shield finals this year. Unfortunately due to lack of numbers we finished third and just missed out on competing in the finals. Now used to last year’s creation of the “White Zone”, we competed in Division 1 against Nunawading, Box Hill and Ringwood. We were fortunate enough with the weather to run all rounds this year, allowing many PBs and SBs to be made both on the track and field. Fantastic efforts were shown by many of our athletes and a special mention must go to Sidonie Lowe who continually managed to compete in multiple events, boosting our points greatly each round. We welcomed new member Charlotte Bavage who improved consistently, even competing in her first ever 400m purely to create a relay team. Whitney Sharpe and Carmel Moorhead produced multiple PBs in the season, maintaining a strong presence on the track. This season saw the beginning of the Zone Vs Zone concept taking our meet out to the new Casey Fields track, the first time we had competed on this track. The change to the rounds allowed the club to compete against different teams, adding variety to the competition. The four athletes able to make the hike out to Cranbourne found the track was producing quick times but too bad about the sunburn! The other two Zone Vs Zone rounds were a bit closer to home and provided a change in competition for the team. Milers Club also allowed a few athletes to produce further PBs during the season. As always, we wouldn’t be able to compete each week if it wasn’t for the hard work put in by a select few behind the scenes. Our coaches, Wal Robinson, Jake Pedley and Nick Bowden do a fantastic job encouraging us to strive for our best. To the officials of the club, especially the never tiring Pat Robinson, who put in so much work every Saturday, we are so grateful. Lastly, to the parents who officiate each week, sacrificing their own time to ensure we can compete, thank you for all you do. I hope you all enjoyed the season and the challenge for next year is to build the numbers in our team to ensure we make the Shield Final next season. See you all there! MEN’S TRACK AND FIELD REPORT 2014/15 Another year and another SSH track season has passed us by, one filled of many great moments but also of room for improvement. A change to the structure of the Aths Vic schedule saw much confusion amongst athletes as well as a front-loading of Shield competitions. Unfortunately this saw us with low numbers in events before the turn of the new year as a lot of our athletes were either still competing/coaching with the schools competition or in the middle of a hard training block as they ramped up for Nationals in April. This put us behind in a lower position in the rankings table, and made it near impossible to get over some of the stronger clubs such as St Kevin’s and Box Hill. It was not all doom and gloom in the first half of the season however with the Open Men’s 4x800m relay team taking bronze at the State Relays against some strong competition. The 2nd half of the season saw an increase in number at competitions and some excellent results in our strong middle distance stable. It was also great to see a lot of youth representing the club, whether it be through Jake’s young squad or some of the Wesley kids. Their commitment and improvement throughout the season was one of the highlights and a pleasing aspect for the future of the club if they can stay together. As always we were caught out in the field events despite valiant efforts of the likes of Cam Clayton to do as many events as possible. It is definitely an area for growth if we are going to compete with the big boys of Shield in the future. There were some amazing individual results in the second half of the season that I think deserve a mention. There was Xavier Smith’s continual and rapid rise in the 1500m, culminating in a bronze at the Open Vic Championships and a World Youth Qualifying time at the Queensland Tack Classic. Not bad for a 16 year old!! He was joined at the Queensland Track Classic by Kevin Craigie and Lachlan Aspinall, with the latter finishing with a new PB. Ben Buckingham also broke onto the national circuit competing in the steeple chase at the Hunter Classic in Newcastle. All four of the above athletes actually made it into the final of the 1500m at the Open Vic Championships, comprising a stunning 33% of the finals field! They were just a handful of the achievements by SSH athletes this track season, with many more setting their own personal bests and continuing to grow in the sport. F1 ST. STEPHENS HARRIERS ATHLETIC CLUB INC. TREASURER’S REPORT ON THE FINANCIAL REPORT 31 MARCH 2015 The accompanying Statement of Financial Position shows that the Club has total accumulated funds of $30,250 as at 31 March 2015 compared with total accumulated funds $30,883 as at 31 March 2014, that is to say net assets have decreased by $633 over the previous year. The following three funds are the only funds of the Club and the first two funds explain the reasons for the decrease in net assets of $633. General Fund The accompanying Statement of Financial Performance shows a net deficit in the General Fund of $390 for 2015 compared with a net surplus of $2,217 for 2014. The downturn of $2,607 is due mainly to a decrease of $400 in the run off of sales of SSH Centenary books, no fund raising functions being held this year worth $1,500 last year and a decrease of $500 in donations, while total expenses only increased by $100. Uniform Fund The accompanying Statement of Financial Performance shows a deficit of $243 in the Uniform Fund for 2015 compared with a deficit of $37 for 2014. These deficits are due mainly to a write down of some old-style uniforms and with uniforms generally being sold at or near cost prices. Sponsorship Fund (Note 5) Interest earned on the term deposit of $8,000 supporting this fund is transferred to the General and Uniform Funds to cover the cost of subscriptions and uniforms for athletes selected by the Committee each year to receive the sponsorship. Costs of Producing SSH Centenary Book and Subsequent Sales (Note 3) Costs of producing and selling the SSH Centenary Book were written off in 2012, and subsequent sales have been included in the General Fund in each subsequent year. Note 3 shows the totals of costs and sales of these books to 31/3/2015. Provision for Costs of Club Development (Note 4) The entries in this account are receipts from contributions less any payments for costs incurred for such items as uniform/equipment purchases, venue hire, athlete sponsorship to national titles, coaching courses and reimbursement of coach’s expenses. Note 4 shows the movement in this account to 31 March 2015 with the balance of $136 (2014: $926) to be used for costs still to be incurred. Statement of Significant Accounting Policies The financial report is a general purpose financial report that has been prepared in accordance with Accounting Standards and other authoritative pronouncements of the Australian Accounting Standards Board and the requirements of the Association Incorporation Act (Victoria). The financial report covers St. Stephens Harriers Athletic Club Inc. as an individual entity. St. Stephens Harriers Athletic Club Inc. is an association incorporated in Victoria under the Associations Incorporation Act 1981. The financial statements have been prepared under the Australian Accounting Standards on an accrual basis, are based on historical costs and do not take into account changing money values except where specifically stated. The following is a summary of the material accounting policies adopted by St. Stephens Harriers Athletic Club Inc. in the preparation of its financial statements. The accounting policies have been consistently applied, unless otherwise stated.

(a) The assets have been recorded at cost and the policy of the Committee is to annually reassess the market value of the uniform stock and record it at the lower of cost or net realisable value. (b) Revenue has been recorded when it is due and recoverable. (c) The Club is exempt from Income Tax by virtue of Section 50 of the Income Tax Assessment Act 1997. (d) If appropriate, comparative amounts have been amended to reflect any current changes in the presentation of the figures. SSH Centenary Book Soon after the beginning of the 2009 year the Club approved the writing of a book on the club’s first 100 years from its foundation on 12 March 1908. The book was completed and launched at a function at the Waverley RSL on 10 July 2011. The final costs of printing and selling the book and sales to cover these costs plus the launching costs are shown below. Provision for Costs of Club Development During the 2007 year the Committee agreed to a voluntary Club development contribution of $20 being included on the Club’s registration form. The development contribution primarily would be used for expenses such as uniform/equipment purchases, venue hire, athlete sponsorship to national titles, coaching courses and reimbursement of coach’s expenses. Sponsorship Fund An old boy of the Club sponsors each year a promising under 20 Wesley College male athlete and female athlete or athlete nominated by the Club. Sponsorship covers the costs of their Club’s subscriptions and uniforms and is financed from the interest on the $8,000 donated by the sponsor to the Club and invested in a short term deposit. As in prior years interest received this year was transferred to the General and Uniform Funds to cover the cost of subscriptions and uniforms for the sponsored athletes. Because the Club has sufficient funds to pay for their sponsorships the interest received is reinvested back into the sponsorship short term deposit. The accumulated interest received to date totalling $2,341 is classified in the books as a debtor rather than as an increase in the term deposit.

The Committee is responsible for the financial report. I have conducted an independent audit of this financial report in order to express an opinion on it to the members of St. Stephens Harriers Athletic Club Inc. My audit has been conducted in accordance with Australian Auditing Standards to provide reasonable assurance whether the financial report is free of material misstatement. My procedures included examination, on a test basis, of evidence supporting the amounts and other disclosures in the financial report and the evaluation of accounting policies and significant accounting estimates.
