Launching new branding for SHOP-SA The re-engineering of SHOP-SA follows months of discussions about the relevance and impact of the Association for its members. It was decided to rebrand, using different colours than before so that we make a statement of stability, rejuvenation and to confirm changes we are implementing. Our objectives:

To promote and protect the interests of the industry, the Association and our members; To encourage co-operation and foster a permanent spirit of friendship and fraternity between all sections of the industry; • To deal with matters that may affect the common interest; • To promote, support or oppose, as deemed appropriate, any legislative or other measures affecting the interests of the Association or its members; • To be affiliated to other associations and organisations; • To collect and disseminate information likely to be of use to members; and • To promote and encourage the interests of the industry through advertisements, publications, publicity campaigns, exhibitions and more. Evaluating these objectives confirms that the values of the Association are: • Protecting the industry • Fostering a spirit of friendship • Solving matters that impact the industry • Sharing of information and knowledge • Promoting the interest of members Blue, white and grey as combination represents the values linked to the brand: dependability, trustworthiness, loyalty, reliability, professionalism and competence. Blue is a confident colour, confirming that the focus of SHOP-SA is on the stationery industry. To counter the experience of blue as a cold colour, we added grey as it represents timelessness, balance, reliability and strength. The logo is clean and will grab attention as people are associating blue logos with brands they already trust (such as Facebook, Twitter, Intel, PayPal and IBM). The upper-case lettering is to confirm our status as an established association.

Changing of the guard

A

s we roll on past mid-year, it’s all change at SHOP-SA. After 10 years’ of dedicated service on the Association board, Chairman Has Servas is tidying up his desk and hanging up his hat. Enjoy his remarkable career retrospective on page 04. SHOP-SA has also undergone a rebrand, with a new colour scheme and logo chosen to represent the Association. Our new chief operating officer, Hanlie Delport, and the team at My Office have driven these changes, which include the return of this very magazine. If you’re anything like me, you will feel that this year has rushed by in a blur. The chaos and continuing challenges brought about by loadshedding require another level of organisation, both at home and in the workplace. For this reason we are featuring key organisational tools in this month’s issue. Labels play an integral role in helping to keep things neat and tidy. Our feature on page 08 looks at the different types of

labels and labelling machines, as well as filing options and storage containers to help keep everything in one place. Our stationery feature this month covers punches, staplers and staple removers. These items are important office organisation tools and deserve to be highlighted. Have a look at page 12 for more. If you’re looking for a distraction during the long hours of loadshedding, you’ll enjoy the origami feature on page 25. And finally, after seven years as editor of the SHOPSA / My Office publications, I will be retiring my red pen. Here’s wishing my successor, Bronwen Jones, and the team all the best as they carry the Association into the future.

Till we meet again SHOP-SA was blessed to have a word wizard in the team who could compile and distribute our weekly newsletters and the monthly magazine! She found interesting and relevant news that she shared with our followers and used her skill as proof-reader and editor to make all of us in the office sound eloquently. As she leaves us this month, I want to wish her all of the best on the next part of her journey, which I am sure will be an exciting one! Thank you for the commitment and loyalty to SHOP-SA.

This month we bid farewell to our friend and co-worker, Leigh Richter, who joined the staff of shop-sa in 2015 as editor for the My Office magazine and website. The years spent working with Leigh, whether in an office together, or remotely, have been an absolute pleasure. A more friendly, considerate and supportive person would be hard to find. Leigh’s ability to take our garbled text and with a few alterations, turn it into something that everyone else can understand, will always amaze us. Leigh loves cooking, baking and gardening and is well travelled. She has visited approximately 35 countries around the word over the past 17 or so years. But her favourite destination remains her family home where her parents farm just outside of Bathurst in the Eastern Cape. As you step out on your next adventure, just know that no matter where you go or what you do, we wish only the best for you. We may no longer be working together, but we will always still be friends. We wish you well on the next step of your journey. So we will not say goodbye, but rather farewell and “totsiens”.

Association News In September 2011, Hans Servas retired from Silveray and we published an article about him in My Office Magazine. As a result, we all know a bit about his professional career. Now that he is stepping down as Chairman of the Board, SHOP-SA used the opportunity to find out more about him. Hans was born, bred and schooled near Stuttgart, in southern Germany. His favourite bands are The Eagles and The Beach Boys. He and his wife, Glenda, have two children; as you read this, they are getting ready to visit their daughter and her family in Berlin. Here is more about Hans: Q What have you enjoyed most about your involvement with SHOP-SA and the stationery industry? A The interaction with the Board members and various players in the industry. Q What frustrated you most about the industry/association? A The lack of participation, and often apathy. Q In your view, what does the future hold for the industry in South Africa? A The industry itself is very resilient; it has overcome many obstacles, and yet has managed to survive and thrive. Q What are your immediate plans after retirement? A Having been in semi-retirement just means we can not make up for lost time during COVID-19. We’re off to Germany in July to celebrate my 75th birthday with my family. Q What are you favourite pastimes? A Spending time in the bush; exploring the remoter parts of South Africa; travel in general; spending time with friends and family; playing golf; and finally, after COVID, be able to go to live concerts and the theatre again. Q. Do you think you will ever be able to “switch off” completely, especially where this industry is concerned? A Oh yes – but I will always be following developments and staying in touch with the many friends and ex-colleagues in the industry. Q What is on your bucket list that you will attempt now? Is there something you will never do because you are a little scared? A There are still a few places I haven’t been to – it will depend on how time I have left! I’d love to, but will never, go sky-diving. Q If you could give your 20-year-old self a message, what would that be? A Enjoy what you are doing, be it work or pleasure, and respect others. Q Has your golf improved now that you have more time on your hands? A Sadly, no … ! Q Describe your “best day ever”. A I’ve had a few great moments, but my 70th with just my family on a friend’s private island in the Java Sea tops the list. Q If you could invite five people to dinner who would make the guest list? A No politicians! Trevor Noah, BB King, Helen Mirren, Elon Musk and Warren Buffet. Q What car would you drive if money was no issue? A Cars have never been a priority. I enjoy my Fortuner and would stick to a 4x4. Q How does your wife feel about having you around more? A The “job jar” is probably filling up … Q Tell us about the guitars in your man cave? A I used to play bass in a “cover band” many moons ago, but still enjoy picking up my guitar and playing – its very relaxing! I love the ‘60s, rock, blues and soul. Q In your opinion, what is/was the best product ever on the stationery market? A Stabilo Boss Highlighters!!

Hans Servas

Retirement I met Hans during my interview with the Board and liked him immediately. Since my appointment, we have spent quite a bit of time in each other’s company and I learned a lot from him about the industry, the role players in the industry and Association. If one could bottle his knowledge and experience it would certainly become one of the biggest assets on the shelf for shopsa. The industry is close to his heart, and I know he would always want to stay informed about the goings on in the stationery industry. But we know that nothing lasts forever, and change is inevitable. As we enter a new era, I want to wish Hans many healthy years, safe travels and I hope that, from time to time, we will be able to catch up. Hanlie Delport

I do have a wonderful memory of Hans Flying home from Frankfurt after Paperworld one year, Hans and I flew home on an overfull plane in Cattle Class! I was very relieved that we ended up sitting together. As Hans was the equivalent of Stationery Royalty, I took full advantage to talk to him about his career and life. Association News Its hard to write something about a man who has been so integral to the South African Stationery Industry, for probably more than half a century. My association with Hans extends back to the time he was MD of Silverray Co, often bumping him at the annual Paperworld show in Frankfurt, as he visited the various principals of the stationery agencies he had negotiated for and on behalf of his company. The products from these principals are amongst the most prominent in the trade today and continues to be great revenue and profit drivers for Silverray, long after Hans has retired from them. I got to know Hans more intimately serving on the Board for Shop SA, where Hans became Chairman after his time with Silverray. It was here that I began to fully appreciate the institutional knowledge that he held of our trade, and how invested he was to retain the best interests of the industry and its members. At meetings he was always well prepared, fully researched, and whose leadership of proceedings was passionate whilst accommodating opposing views. Hans was always warm, engaging, with a firm handshake and a glint in his eye. enjoyed the many stories relayed about his time in the trade and adventures he had experienced on his business travels. But now’s the time for Hans to take a break finally, after so many years of service to the purveyors of Office Products – from suppliers to wholesalers to retailers and end users. I wish Hans and Glenda a wonderful rest and Bon Voyage on travels to come, locally and abroad. The Stationery Industry will be poorer without him. He will be missed. Our relationship with Hans goes back a long way to when he looked after Silveray in Durban. At the time, the envelope market was vibrant and there were many envelope factories in SA. While Merpak was focussed on bespoke printed envelopes and Silveray on Stationery Envelopes, we did of course, bump into each other in the market from time to time. Although Silveray was a formidable competitor, under Hans’s watch, it was fair and produced great quality work. We worked closely with Hans in developing apprentice training modules for our envelope adjusters and shared the same strategic thinking for the betterment of our industry. Of course, Hans had far greater responsibilities than just envelopes but he was always available to discuss and assist us with some of the technical and paper issues that we faced at the time. Hans is a gentleman and he will look back on his career with pride. We thank him sincerely for the dedication to the broader stationery industry for so many years. He has made a difference! I met Hans many decades ago at the old SA Printing College. As such, with both of us having a German background we exchanged a few thoughts on the Industry in general, particularly EMMSA matters and training council initiatives whenever we bumped into each other. The conversations were always enriching as it added to some ideas in ensuring that common thinking on a senior level in organisations always lead to fruitful discussions with the Silveray colleagues, when it came to developing Apprenticeship programs. When I reflect back today, it was the backbone of the Merpak and Silveray team that ensured defining the Curriculum of the current Apprenticeship status quo, with some input from other smaller market competitors. As it so happened when our children joined the Deutsche Schule Johannesburg for High school education, we actually landed up enjoying a few bowling sessions together with common friends, besides meeting up at the German school beer fest where all parents are usually engaged in adding to the success of these events. Association News Hans Working with you over the past 29 years has been an absolute honour and pleasure. You were always totally committed to your staff and the industry as a whole. Your knowledge and more importantly, your ‘sharing’ of your knowledge was most welcome and appreciated. So after a career in the office products industry, spanning in excess of 40 years, the time has come for you to take an extended holiday and to enjoy a well-deserved rest. Hans was always one of those people that us youngsters looked up to when first entering the stationery market in the late 90’s, a lot of the other “statesmen” often felt unapproachable but Hans was always the one person who would put out his hand, greet you and make you feel welcome. We may not have had the closest of relationships over the years but for the brief conversations & small bits of advice given (even if he didn’t realise he was giving) I would like to say thank you and wish him all the best for the future. I came into the industry when Hans was the MD at Statmark and then a few years later he took over at SSC. My dealings with Hans were always at industry events and it is always very much the same memory. Repeated many times over. Label it Labelling machines Each type of labelling machine is designed to fit into your life in different ways. Personal label printers Otherwise known as label makers, these are small handheld devices intended for use in the home, small office and small business setting. These machines do not have a high price point, and so are popular with those who don’t want to print a high volume of labels. However, these machines print on special, often thermal, tapes which are expensive. In the past, mechanical labelling systems worked by embossing pieces of coloured plastic embossing tape. A hammer in the shape of the letter caused an extrusion on the opposite side of the tape, and the raised plastic would discolour to white to provide visual contrast. These types of machines have been largely displaced by electronic thermal transfer devices. Such machines contain a built-in keyboard and display, and an integrated cartridge containing the label material (and print ribbon, if used).

They are usually designed for light- to medium-duty use, and are quiet and affordable. They are available in direct and thermal transfer printer models, and are customisable. Commercial label printers Commercial label printers are used in medium-volume label printing applications, in business environments such as printers or graphic design.

terms of materials, lifespan and adherence. You should choose labels that are best suited to your needs and your budget. Pressure-sensitive labels – these labels are

applied by pressing down firmly on them so they stick to the surface. They typically have a release liner that protects the adhesive until it is pulled off. The release liner makes handling the label before application easier. There are three different types of pressure-sensitive adhesive labels: • Permanent adhesive labels – once fixed to a surface, such as a box or disc, the label cannot be removed without ripping. The glue on some permanent labels takes a while to set, allowing for the label to be adjusted if necessary. This type of label is ideal for mailing. • Peelable adhesive labels – these are removable labels which can be transferred from one surface to another. They usually leave a sticky residue behind. • Ultra-peelable labels – these labels can be removed without any sticky residue remaining. However, once removed it is hard to get these types of labels to stick to another surface. Depending on which labels get used the most, it is a good idea to have a variety of extras on hand to use on everyday items:

Half Page Ad Industrial label printers These types of label prints are designed for heavy-duty, continuous use in places such as warehouses, distribution centres and factories. They are used to print vast quantities of labels, sometimes for oddly shaped components (such as the safety stickers on a child’s car seat). Industrial portable label printers are used on location in rugged environments, such as construction sites and production floors.

Address/shipping labels - these

typically come as blank labels in sheet form for mailing, and rolls for thermal labels. Return address labels – these can be bought pre-printed, as the return address is typically the office address being shipped from. Extras can always be printed onto blank label sheets. Inkjet labels – these types of labels are used in inkjet printers. They are typically blank labels on a label sheet and are often used for mailing labels or name tags. They generally print in black. Laser labels – these labels are used in a laser printer. They are superior to inkjet-printed labels due to the fact that it won’t run or smudge, and they can be printed in colour. CD/DVD labels – these labels are made to be put onto a CD or DVD. They are designed to fit around the central hole in disc. �

The ink dries quickly on an uncoated surface but if shiny paper is used, special knowledge of ink is required – and we can advise on that too.

File it Filing systems of one kind or another have existed since businesses and organisations began to use paper on a regular basis. Keeping track of hundreds or thousands of pages of paper requires the use of an orderly system. These days, filing is available in all shapes and sizes, and for a variety of different media.

barcoding, colour coding or computerbased tracking systems for reference. The disadvantage of open shelving is that it tends to be more or less fixed and permanent, and generally not easy to move. Open shelving also offers less protection against natural elements like light, temperature and humidity.

Open shelving This is both the most cost-effective and the most rudimentary filing option. Open shelves allow employee to store documents on open, horizontal racks, with folders placed vertically in rows. Shelving takes up less space as there are no drawers than need to be pulled in and out. Open shelves usually stand taller than file cabinets, and can therefore hold more files with a smaller footprint. They are also less expensive than cabinets. They offer quicker filing and retrieval, with more than one person being able to use it at the same time. Open shelving is adaptable, and you can easily use

Cabinets Cabinets are ideal for small filing systems, as they are easy to move and easy to source accessories for. Standard cabinets have one to five pull-out drawers and accommodate folders filed vertically, front to back, with top tabs. Cabinets are, however, more difficult and time consuming to use. Each drawer needs to be opened individually, and only one drawer can be accessed at a time. Files stored at the back of the draw or at the very top can be difficult to access. When using cabinets, you need to ensure that the space provided allows for the drawers to be fully extended. Lateral filing Lateral filing involves a system of drawers containing shelves that roll out or extend forward. Lateral filing cabinets are typically 51cm deep and manufactured in 76cm, 91cm and 107cm widths. They come in versions with two, three, four or five drawers. Lateral filing can handle either standard folders or suspension files (these are files fitted with easy glide nylon runners to smoothly move files along metal bars). The advantage over open shelving is that they can have doors and locks for added security, and can be adapted to store other types of media. It is easy to access and view all files. The 76cm, two-drawer version is

popular for use inside cubicle workstations. It is engineered to fit under or alongside the cubicle work surfaces. Some users prefer side-to-side filing, as they can search index tabs from a seated position. In order to suit all types of users, the top (usually fifth) drawer of a lateral file is a flipper door with a pull-out shelf. This is due to the fact that most people would not be able to access the top of a drawer at this height. The disadvantage of lateral filing is the same for standard cabinets: only one drawer can be accessed at a time; and the space needs to allow for drawers to be fully extended. Rotary filing systems Rotary filing systems are specialised office units designed to provide increased storage volumes when compared to traditional counterparts. They consist of a doublesided rotating unit, allowing the user to access two full sides of filing from any one point. A foot pedal or lever is often used to operate the rotation mechanism, thus allowing user easy control. Many rotary filing systems can store the contents of 17 four-drawer filing cabinets in just three eight-tier units, allowing multiple times the storage volume created by traditional filing cabinets. A wide range of fitments makes the systems suitable for storing an array file types and media. For security, each unit can be locked individually. Rotary storage systems usually have no shutters or doors, which means they can be situated very close to walls or partitioning, giving a very efficient use of floor space. Units can also be used to divide office space, acting as partitioning. July 2022


Getting Organised Rotary storage units can allow faster file access than banks of conventional cabinets as 50% of stored items are immediately visible to the operator, with the rest being just a pedal push away. Mobile filing This method of filing moves along a track or rotates, and therefore does not require permanent aisles. Mobile storage systems are usually constructed with a rotary handle which operates the mechanism to wind the single, connected, filing unit either left or right, depending on the direction in which the handle is turned. Several stacks of moveable filing cabinets may be accommodated in a limited space. The tracks can be installed onto many different types of floor and on different levels. Another advantage of mobile filing is that files are accessed more quickly as employees do not have to walk as far.

Mobile filing systems offer increased security as they have both doors and locks. They are also easily adapted for other media. Mobile shelving will require you to check that your floor can handle the weight of a fully-loaded system. These systems are generally more expensive than the other options. An additional factor to be considered is that some types of mobile filing systems use power, so if the electricity supply is constrained, this might not be the best option. Top retrieval filing This method of filing involves a cabinet with drawers that pull out, similar to the way a chest of drawers for clothing works. However, they are much wider and deeper than a standard chest of drawers. Top retrieval filing cabinets usually contain a locking mechanism and

a height-adjustment mechanism. They are designed for use with container filing, lever arch filing, and a4 suspended filing. One disadvantage of top-retrieval filing is that the units have a large footprint. The units also cannot contain too many tiers, as people will not be able to reach into them. Archive filing When contemplating filing your archived documents, consider whether or not you will require specialised equipment. Archive filing often comes in the form of cardboard boxes which have handles, lids and a space to write down dates or names. These boxes are usually designed to fit onto existing shelving, with space saving properties incorporated into the design. Archival boxes are usually acidfree to prolong the life of its contents.

Store it Storage containers are a great way to stow away items that are not readily needed, but that you want to protect. Plastic storage containers Plastic storage containers are a great way to get organised. They come in a variety of shapes and sizes to suit every space, and can be decorative as well as functional. Such bins are ideal for storing documents and files. Good quality containers are made from durable plastic that won’t perish easily. A tightly sealing lid will ensure the contents of the bin stay in pristine condition. Many larger storage containers come with castors to make moving them easier. Large plastic storage boxes are useful when it comes to organising and storing items such as documents. These boxes are sometimes hinged so that the lid doesn’t have to be removed. Storage boxes can also be made from acrylics. Acid-free plastic storage containers are

recommended for storing items such as photo and old documents. Plastic file storage containers and plastic file storage bins are useful when creating a filing system. They are easy to organise and more containers can be purchased to expand the filing system. Storing documents Ring binders are the simplest form of binding, and are ideal for document storage. The PVC or polypropylene covers are durable, flexible, lightweight and moisture repellent. They are available in a choice of sizes and colours, making them ideal for company branding. The ring size of the file binder determines how many documents can be added. The ring shape of the binder is also important: a D-shaped ring holds more pages and is usually used on higher quality files than those with an O-shaped ring. Binders should be easy to open with one hand; have a gap-free mechanism so that pages don’t tear; be back mounted to allow the pages to lie flat; and allow for easy insertion or removal of pages. Label holders and pockets on the inside of the covers are also useful for storing documents, pens and business cards.

There are a number of things to consider when choosing these items. The first is the kind of plastic they are made of. Some types of plastic are less suitable for food storage than others. Some may leach chemicals into the food when exposed to temperature fluctuations such as those caused by a microwave or a freezer. Bisphenol-A (or BPA) has been linked to hormone disruptions in the human body. It is best to avoid storing food in this type of plastic. PET has been identified as the preferred plastic for food storage. Refillable water bottles, such as those used by cyclists, are usually BPAfree. It is not a good idea to reuse disposable plastic items (such as water bottles or plastic cutlery). �

Punches and staplers

Punches Punch are the ideal organisational tool, used in offices around the world to sort and file papers in folders.

Types of punches Punches are usually categorised by the number of holes that they punch at one time. The type of filing system that your customer uses will determined the kind of punches they need. Punches with different holes are used for filing papers in ring binders, three-ring binders or standard lever-arch files. Single-hole punches are often used at events to punch tickets to prevent them being redeemed twice. They are also used within loyalty programmes, where a customer is issued a card and each time a purchase is made. Single-hole punches are used to create a hole to mark the progression of purchase and reward stages. Two-hole punches are used for tworinged files, as seen in small offices and learning institutions. Three-hole punches make it easy to use the standard printer paper required to be filed in three-ringed notebook files. Lever handle punches are adjustable, allowing the user to punch anywhere from two to seven holes. They feature a heavy base for stability, a calibrated position guide and a removable paper

pan to dispose of offcuts. Electric punches offer ease of use, as no physical exertion is required by your customer to punch holes accurately and quickly. Portable electric versions are also available for use at events or exhibitions or when moving between departments within a large enterprise. Electric punches are automatic and effortless, and are ideal for frequent use on large jobs when speed and accuracy are critical. Electric binding machines also offer a punching capability as part of the binding process.

Sheet capacity An important aspect to consider when selling punches to your customers is the sheet capacity. Heavy-duty punches are capable of taking up to 160 sheets at a time. They are suited to large-scale projects, such as those found in the corporate and manufacturing industries. These models require virtually no effort when punching stacks of sheets, getting the job finished faster and more accurately.

Design Punches are available in an array of styles, shapes and sizes. They can be made of metal or plastic. Metal punches

are usually stronger and more robust, and their moving parts last longer than their plastic counterparts. The metal or plastic cover of the punch can be any colour, with the most common being white, black or silver. The choice of colour can be matched to the corporate identity if desired. Many punches come with some type of alignment indicator. This is usually in the form of a plastic strip which is housed under the punch base. This strip can be pulled out and used to indicate standard paper sizes, such as A4 or A5. Once the correct size of paper is inserted against this strip, the holes will be punched in the correct location for filing. Most punches come with a base that contains the paper chad (circular punched out pieces of paper). The base is cast as part of the punch, and comes with a removable plastic lid for easy emptying. Some punches have a special release gate for this purpose. Another useful value-add is an angled base for easy paper insertion. Some punches have paper guides with a window for ease of setting. Paper punches may have handles that lock in place, making the punch flat for easy storage in a desk drawer or cupboard. July 2022

Staplers Staplers are a useful organisational tool for home, office and educational environments. The outer cladding of staplers is generally made of plastic or metal, while the internal mechanism is metal. For those who are environmentallyconscious, staplers manufactured from 100% post-industrial recycled plastic may be purchased. These often come in recycled cardboard packaging printed with petroleum-free, soy-based inks. Specialist staplers will allow your customers to complete more usual jobs, such as booklet making and tacking.

Types Hand-held staplers are an essential retail

and office supply item. They come in compact sizes and shapes for everyday use. Half-strip staplers are smaller and compact and hold a half strip of staples (approximately 105 staples). Recommend half-strip staplers to students or to homeoffice users, as they are more compact and take up less space on a desk or in a laptop bag. Full-strip staplers can be loaded with a full strip of staples (approximately 210 staples), which makes them more popular for high-volume office use. Customers will find this more useful as they will have to refill them less often. On average, a standard desktop stapler can fasten up to 20 sheets at a time, while a heavy-duty stapler is suitable for stapling up to 100 sheets at a time. centre of a stack of papers. These should be considered if your client needs to make up booklets. Long reach staplers generally staple 25 to 30 sheets at a time. Electric staplers feature an automatic arm that triggers when paper is inserted. Always ensure your customers purchase a model with a safety switch. This is a security measure that will prevent accidental operation. Portable or hand-held staplers are smaller in size, meaning they can be attached to a keyring or be clipped onto a work bag or mobile work station. Larger sizes have higher stapling capabilities and an integrated staple storage compartment in order to keep extra staples handy. Small, pocketsize staplers can fit into students’ bags and backpacks and some feature a built-in staple remover too. They can staple up to 12 sheets of paper. Portable electric staplers operate on battery power or AC adapters. They come with an LCD display to indicate when to add new staples. Staple guns are larger pieces of equipment suited to packaging tasks and DIY projects. Manual staple guns feature a high tension spring which enables tacking to a range of base materials. Pneumatic staple guns work on the power of compressed air. The air drives the staple into the substrate. Electric or battery-operated staple guns obtain their power from a current. Staple guns are an ideal tool for decoration and repairs around the home or office.

Top tip To avoid jams, advise your customers to use only the recommended staple type and size for the model of stapler in question. They should not staple above the stated sheet capacity. If the stapler will be used by multiple users, customers should consider purchasing one with a jam-free mechanism.

Duty cycle Light-use staplers are usually simple

devices made from lightweight materials. They are ideal for occasional use in the home or office environment. They have basic features and are used for infrequent filing tasks. Regular-use staplers are made from more durable metal. They have a higher level of reliability and are used in the standard office environment. These types of staplers may have special features such as a flat clinch staple finish; mechanism which require low force to use them; and an ergonomic design with soft or padded touch points for comfort. Heavy-duty staplers are designed for high-volume use. They can staple more than 60 sheets of 80gsm paper at a time. They are sturdy and robust and made from durable materials.

There are a number of different mechanisms by which papers can be stapled. Permanent clinch is the most commonly-found stapling mechanism. This mechanism delivers a long-lasting, closed-staple clinch. Opening the staple requires a staple remover. Flat clinch is another type of stapling mechanism which lays the staple legs flat against the paper, thereby cutting filing space by as much as 30%. Pinning is available on staplers whose anvil can be swivelled. Paperwork is then temporarily secured in a pinning fashion, making it easy to release the documents by hand. Tacking is a form of stapling used for fastening paper or textiles to bulletin boards or wooden surfaces. The ends of the staple are not bent over, but sunk vertically into the backing material. Another design point to consider is how the staples will be loaded. A bottom loader allows for the base of the stapler to be removed and the staples inserted, while a top-loader lets the user open the top of the stapler to insert

staples that way. Front-load staplers that have a staple magazine that pops open from the front; and back-load models which have a staple tray that extends from the rear of the stapler.

Accessories Staples are usually supplied with the choice of stapler your customers purchase. It is important to remember that higher-capacity staplers also need larger or high-capacity staples. These will have longer legs and sharper teeth, allowing them to reach through larger stacks of paper. The thicker the stack of papers to be stapled, the longer the vertical legs of the staple must be to ensure it is correctly cinched. These types of staples may come in staple cartridges for easier loading. Although most staples are silver, coloured staples are available, allowing for colour co-ordination for business documents, such as annual reports. In addition to the stapler, your customer will require a staple remover. These

devices quickly and effortlessly remove staples without damaging the document in question. They are available in claw, scissor, pen and easy-glide remover types. Another point of upsell is a stapler with a name plate. This allows for the engraving of the users’ initials or the company name. Also advisable for customers working in busy environments is a stapler with an attached security loop. This allows for the stapler to be secured to a counter or desk with a tie of some kind, and ensures that it won’t be stolen or misplaced. �

Cashless Society: here are the challenges

P

re-dating the onset of Covid 19, a number of countries made the move toward achieving a cashless society. Subsequent to the pandemic, many consumers have made their desire to move toward contactless transactions known, and the banking industry has responded. Despite offering a variety of payment options in addition to debit and credit card facilities, which is undoubtedly an advance, there are some who are concerned that the customer is losing the option to use cash to transact.

possibly not as secure as they would expect. Digital transactions leave a footprint, whereas cash is anonymous. Many suppliers and financial institutions use the purchasing behaviour to market to the consumers. The nett result is that consumers may open themselves up to fraud by limiting their transactions to the digital space alone. During the pandemic, most consumers opted to purchase online and to transact digitally; data-breaches correspondingly escalated.

Resilience and system vulnerabilities Many South African establishments, especially restaurants, have moved to a cashless environment. This move is primarily used as a defence against crime. Countries like Sweden, who don’t have the high crime risk, have led the drive to move to a cashless environment but are now experiencing pushback from their consumers who still believe that cash has an important place in society. The concern by consumers in the move a cashless society is not baseless. There are several challenges or issues that need to be addressed before an entirely cashless society is completely feasible: The following are the key challenges that need to be considered:

Innovative digital technology infringes on security and privacy Consumers are becoming more aware of cybersecurity breaches and have come to realise that their personal information is

Natural disasters and war have a negative effect on cashless systems and this in turn affects financial services negatively. If telecommunications go down for whatever reason, cashless transactions are disabled and consumers need to rely on cash. Whilst every effort is made to keep the systems up, 100% uptime cannot be guaranteed as this is dependent on infrastructure that can be destroyed or disabled.

Tracking spending Budgeting is part of everyday life; cash has the clear advantage here helping customers to monitor and adhere to their set budget. When a customer physically pays with cash, they are more cognisant of the cost of items and their balances. Digital payments allow for a disconnect between spending and monitoring and thus allow clients to overspend more easily. This disconnect means that some

consumers are prone to overspending and more likely to rely on an overdraft or credit card to bridge the gap till the end of the month.

Consumers resist change Many consumers are reluctant to change the way they pay, especially older generations. There is a sense of mistrust in new forms of transacting with many being wary of the new technology and are simply not comfortable or tech-savvy enough to try. Less affluent people also baulk as the new technology usually needs an app to be downloaded and they may not have the means to pay for the additional data required to do so.

Loss of control The old adage that cash is king still applies today. There is a sense of security in having cash in your wallet; as mentioned, banking technology can sometimes go offline and having the means to pay and not be dependent on a system is still considered astute. Transacting digitally makes consumers feel that they are out of control with their finances. The majority of people will still opt for a card transaction or cash and usually a combination of both; a cashless society is still a while ahead of us. There may come a time where cash, banking platforms, ATMs and alternative cashless applications are amalgamated into point of sales systems so that clients are at liberty to choose the method that they prefer and feel most at ease with; however, doing away with cash in its entirety is long way off. � my office magazine

How to Mentor the Next Generation

M

entorship is a vital tool that can bring about the necessary change needed to prepare the next generation of leaders. Most successful industry leaders will testify that they had or still have mentors.

The process of mentorship benefits both the mentee and the business because it drives results. “Show me a successful individual and I’ll show you someone who had real positive influences in his or her life. I don’t care what you do for a living – if you do it well, I’m sure there was

someone cheering you on or showing the way. A mentor.” said Denzel Washington. So, ask yourself the question: Will our future generation of leaders be ready to take over the reins? Many businesses are so busy with their day-to-day operations that they forget to do succession planning and overlook Mentorship Programmes. These have become essential for businesses to grow. And yes, in most cases both the generation and knowledge gap are huge between mentor and mentee. Mentoring the next generation is no walk in the park and will take a strong commitment from both parties to close these gaps and grow stronger together.

Seven pointers to mentor the next generation of leaders Managerial teams often have several concerns about their young generation of employees. They are constantly trying to figure out what is important to each generation and how they do things as this differs quite a lot. So how do you bridge this gap when mentoring the next generation of leaders? Determine compatibility. Make sure that the mentor and mentee connect well with each other. Mentoring someone with whom you have nothing in common will be extremely difficult. Be open and

honest and get a relationship going. Get on the same page. Sit down and talk. Listen with compassion and empathy about the concerns and the needs of the mentee. Align your goals. Although both mentor and mentee might have different ideas on how to do things, the important thing is that they have the same end goal in mind. They both want the business to grow and succeed. Don’t neglect the mentoring process. Always make time for one another. Don’t “forget” about the mentorship. Make a real effort to also show your commitment. Bond outside of the office as well. Have fun together but also treat the mentoring process as a business. Schedule regular meetings, set goals and deadlines and give positive constructive feedback. Don’t beat around the bush. Be clear and assertive about what

you as the mentor expect from the mentee. Build trust and respect between each other so that the mentee feels they have an ally. The mentee must never guess where they stand with the mentor. Don’t skimp on the transfer of skills and knowledge. In so many instances, mentors might feel that if they give away too many tips of the trade or insights into how the job is done, they will be in direct competition with their mentee for their position. Remember, you are equipping the next generation and if you feel this, you should reconsider being a mentor. Be patient with your mentee. Give them a chance to find their feet. Don’t get irritated with their progress. Take it slow and win their trust. Learning is a two-way street. Mentees also have something to offer. Be open to learning from your mentee. They might know more

about innovation and technology than you because they are younger. Use this opportunity to grow your own skills and knowledge to better yourself. You are never too old to learn something new. Bob Proctor said: “A mentor is someone who sees more talent and ability within you, than you see in yourself, and helps bring it out of you.” Commit to succession planning and establish mentorship programmes within your business. Where is the dust?

M

ost workplaces only focus on the most visible areas and follow a regime of sweeping and mopping to create the illusion of cleanliness. Offices are full of low-traffic areas that accumulate dust very quickly. Maintenance of a clean workplace is a priority for the health of all employees and the avoidance of health-related risks. Fans and air vents Due to the location of vents and fans, predominantly located on or near to the ceiling, they are an ideal location for the dust to settle. Whilst their functions are different, they both move and channel air releasing the burden of dust that has accumulated within and without the appliance. Cleaning the units may require specialised assistance from a cleaning company as they are usually in high up, difficult-to-reach areas. Air-conditioning filters Most offices are heavily air-conditioned. These too present an ideal location for

dust to accumulate. Air conditioners have filters in them that are specifically there to filter the dust from the air; however, as most offices run the air-conditioners for the full work day, filters do get clogged very quickly. When filters aren’t regularly cleaned, the inevitable build-up will result in dust being released into the workplace. Regularly rinsing and replacing filters in air-conditioners is a quick and easy fix resulting in a less dusty office space. Electronics If you notice the accumulation of grey dust balls around your power cables and electronic equipment or PC, it is time to vacuum. There are also high pressure aerosol sprays that are formulated to blast dust from electronic goods; usually they only contain pressurised air, but are extremely effective. Carpets Offices are often carpeted. This aids in noise reduction in a large office but unfortunately they are also absolute traps for dust and debris.

The majority of dust, especially in a hightraffic area, comes from the sloughing of dead skin cells. Many workplaces are opting to install vinyl flooring, which is not only easier to clean but which is also noise-dampening and really attractive. Other fixtures in the office There are myriad furnishings and office equipment that accumulate or exacerbate the issue of dust in the workplace. Some of the most common are listed below: � Window sills � Curtains and blinds � Carpets � Furniture � Indoor plants � Skirting boards � Ceilings All offices should consider getting a professional cleaning company to assist at least twice a year. The specialists have experience, custom equipment and proprietary chemicals to ensure that the workplace is kept in optimal condition and dust and the associated allergies are avoided. �

rgonomics Regulations forms part of the Occupational Health and Safety Act 1993, Act 85 of 1993, as amended (OSHA) and are intended to protect the health and safety of persons who may be exposed to ergonomics risks in the workplace.

When we consider the aim and purpose of health and safety in a workplace, one’s mind is inadvertently focused on hardhats, steel point boots and construction workers hanging at immoderate heights. However, the Occupational Health and Safety Act, 1993 (Act No. 85 of 1993) (“OHSA”) goes further than the obvious risks humans face daily to generate an income. Thomas Jefferson said that “The care of human life and happiness, and not their destruction, is the first and only object of good government.” The Minister of Employment and Labour, Mr Thulas Nxesi, has published regulations to OHSA that places a duty and responsibility on employers to prevent, or where this is not reasonably practical, adequately control occupational diseases and injuries relating to exposure to ergonomic risks in a workplace. Ergonomic risk means a characteristic or action in the workplace that may impair overall system performance and human well-being. The risks involved with impairment of the overall system performance and human well-being in a workplace environment can include vibrations, posture, noise, and other repetitive tasks by workers, with or without machines, to perform work using information, technology, and other resources to produce products or services. w w w. m y o f f i c e m a g a z i n e . c o . z a

There are three types of ergonomics: physical, cognitive, and organisational. Each of these contributes not only to organisational success, but also to worker satisfaction and the bottom line of a business. As much as there is a duty on employers to remove or reduce exposure the ergonomic risks associated with a workplace, the regulations place a similar obligation on employees to obey lawful instructions from its employer regarding the use of measures adopted to control these ergonomic risks and to cooperate with the employer in determining an employee’s exposure to these risks. One of the consequences of poor ergonomics in the workplace, is workrelated musculoskeletal disorder (WMSD). According to the Centre for Disease Control and Prevention (CDC), WMSD are injuries or disorders of the muscles, nerves, tendons, joints, cartilage, and spinal discs. The work environment and performance of work contribute significantly to the condition; and/or the condition is made worse or persists longer due to work conditions. Examples of WMSDs include sprains, strains, and tears, back pain, carpal tunnel syndrome, hernia, and arthritis. Ergonomic risks are identified, monitored, and controlled by risk assessments before work is conducted and at intervals not exceeding two years. According to the regulations, these risk assessments must include a complete hazard identification, identification of all persons who may be affected and how, analysis and evaluation of these risks and the prioritisation thereof. Employers must review the assessment if the control measures are no longer effective, if technological or scientific advances allow for more effective control methods, if there

is a change in work methods, the type of work carried out, the type of equipment used to control the exposure, or if an incident occurs or medical surveillance reveals an adverse health effect, where ergonomic risks are identified as a contributing factor. Medical surveillance is mandated by the regulations if it is needed by virtue of the result of the risk assessment or if it is recommended by an occupational health practitioner. Medical surveillance consists of (in the case of a new employee); an initial health examination before the employee commences employment or within 30 days of commencement of such employment; periodic health examination informed by the ergonomic risk assessment, at intervals specified by a practitioner (not exceeding two years) and an exit health examination. The records relating to the ergonomic risk assessments and that of medical surveillance of workers must be retained for 40 years by the employer. It is vital to bear in mind that the regulations have criminalised the contravention of the regulations and is punishable by fines and/or imprisonment. It is clear from the sternness of the regulations that government has identified the risks and results involved with poor ergonomic risk management, the impact on a company’s workforce and the working population in general. In the eye of the storm “We are in the eye of the perfect storm” said Deon Joubert when describing the paper situation in South Africa recently. Disruptions caused by the pandemic, the impact of natural disasters like the recent flooding in KZN, and the unexpected impact of the war in Ukraine have all contributed to unsettling our industry. SHOP-SA recently hosted a panel on the paper shortage – not to offer solutions, but to confirm that this is a global issue and that we are all in this together. There will be challenges in the months ahead, but in every crisis we also have to look for opportunities. DEON JOUBERT Joubert has been involved in print and paper most of his working life. His first job was at the Argus newspaper in Cape Town. Thereafter he spent a few years at Afrox, before joining Merpak Envelopes – where we find him to this today. Part of the Merpak group is Rotunda, a specialised thermal paper solutions company. Joubert is involved with the international lobby group Two Sides, which promotes and defends print and paper against the often-spurious claims by digital service providers who aim to move consumers away from paper-based communication to digital platforms, based on unresearched environmental claims.

RYAN BIDGOOD Bidgood has worked in the industry, both locally and internationally, for the past 17 years from both sides of the fence – in manufacturing and distributor, as well as reselling. He started Office National in 2004 and stepped down from the company in 2014 to venture into something new within the waste management Industry. He started an on-site waste management company called Pandae Green Solutions, which involves the sorting, separating, recording and reporting on waste generated by corporates. Bidgood helped build the business from one customer and three staff to 400+ customers and close to 450 staff. He returned to Office National in 2020 to again head up the group, but on a consulting basis. He still consults to Pandae but a large percentage of his time is taken up by Office National. “I’m glad to back … missed working with independents and suppliers too much to stay away for ever!” he says.

ROB FEDDER Fedder is currently a group executive at Caxton and CTP Publishers and printers, managing various assets within the group. Before joining CTP, he spent 16 years in the filing, storage and shredding industry.

Kolok recently hosted a Pantum information day at the Redberry Farm in George. The show was attended by in excess of 50 customers travelling up to 380km in this remote region to learn more about the Pantum printers and toners. paper trail

Paper recovery in South Africa is at 70%. Can we aim higher?

P

aper was invented in China in 105AD by court official Tsai Lun, who combined tree bark, hemp, fishing nets and old rags together with water and pounded this into a pulp and hung the resultant thin matted sheet in the sun to dry. Recycling of paper involves several steps – the first, and arguably the most important, is the separation of waste paper from other refuse in homes, schools and offices. The next step is the collection of the waste paper by the waste company or informal pickers. Next up is the sale to the buyback centre or sorting facility where the different “grades” – for example newspapers, magazines, white paper, cardboard boxes, paper grocery bags, paper cups or milk and juice cartons, and mixed paper – are sorted into bales.

Water is then added to a bale of paper to make a slurry. The type of recycled paper being made will determine what grade of paper is used to make the slurry. The slurry is then passed through a screen, which is a sieve-like machine used to remove contaminants, and then is fed into a paper machine where the damp paper is rolled into giant reels. The final step in the process is where the jumbo rolls are sent to a converter to be made into the desired type of paper. SA has averaged a 70% paper collection rate since 2017, which saves valuable waste landfill space. More effort needs to go towards the recovery of waste paper in all sectors. Home offices have become the norm since the onset of the pandemic, and with so many children now being home schooled, the use of paper and the generation of waste paper has increased. There are many schools that generate an

income from waste paper donated by scholars and their families. The Paper Manufacturers Association of South Africa (PAMSA) lives and breathes all things paper. PAMSA is interested in all facets of paper, paper production and recycling. The Association has an interest in education, environmental matters, research and recycling, and focus of the pulp and paper sector within South Africa. The recycling arm of PAMSA is RecyclePaperZA, and it supports and drives the recycling initiative. There are recycling hubs in most cities, and the informal pickers – who themselves earn an income from recycling – ensure that for the average household there are several avenues to pursue to recycle waste paper, and ensure does not become part of the waste burden in a landfill. The question is: are you doing your part? �

Paper art

O

rigami – from ori, meaning to fold, and kami, meaning paper – is the Japanese word for paper folding. Origami is an ancient art form, handed down from parent to child. It is thought to have started in China between 905 and 1125 AD, and afterwards gained popularity in other Asian countries and, eventually, Europe. In ancient Chinese culture, people were buried with replicas of their belongings. These were made out of folded paper. Because the Chinese culture puts a high value on frugality, many speculate that origami was popularised due to the fact that it was a way to repurpose used paper.

Types of paper Traditional origami paper (known as kami) is thin and brightly coloured. It comes pre-cut in squares. However, as paper goes it is not very stable due to the fact that it doesn't use archive-level dyes, and it is not very strong because of its thickness. It is also not always perfectly square due to the way it is manufactured. Kami is not ideal to use when making curved surfaces. It springs back easily which is good for making creases, but impedes curves. Another type of paper used in origami is wet-folding paper. He is considered responsible for raising origami from a craft to an art. By his own estimation, he created more than 50 000 models. He published six books on the subject and exhibited his craft at the Louvre in Paris, France. He is credited with creating the technique of wet-folding.

available in large sheets in silver or gold. It is most commonly found as wrapping paper. Foil paper is quite thin and is fairly strong. The most important property of foil paper is that it is malleable. This means you can shape the paper into curves and crimps, and it will hold its shape. Foil paper can be folded into curved, organic shapes that have a natural appearance. �

It is added to the paper pulp during its manufacture, and bonds the fibres of the paper together as the paper dries. This results in a stronger, crisper sheet. When the paper is dampened, the water dissolves the sizing, making the paper softer and more malleable. When the paper dries again, the sizing bonds the paper fibres together in their new configuration. This makes the shape permanent, rigid and resilient. The more sizing there is in the paper, the greater the contrast between foldability when wet and rigidity when dry. Good examples of wet-folding papers are watercolour paper, available in a variety of colours, and calligraphy parchment. Foil paper, or foil-backed paper, is a thin sheet of paper bonded to a thinner sheet of aluminium foil. It is often my office magazine

Workplace violence is a real threat

W

orkplace violence, or threats of violence, can be spontaneous outbursts like an angry customer who perceives they are receiving poor service, or it can be premeditated, such as when a person intentionally sends threats to an organisation. Wherever we have people, the potential for conflict is also present. Conflict is a natural part of human interaction, but the outcome of the conflict can sometimes have positive results like an improved relationship. The workplace is no exception to this rule when it comes to human interaction as people spend most of their day in the

workplace. Categories of offenders There are four categories of offenders against employees: • strangers • (ex)customers • other (ex)employees, and • intimate partners of employees. In extreme situations it can sadly lead to lethal violence. Although most conflict will be safely resolved by the parties involved, or defused naturally over time, it happens that conflict can lead to longterm psychological and physical harm. What do we mean by “violence”? In the field of threat assessment, violence is typically defined as any actual, attempted, or planned violence towards another. It includes communications or

behaviours that causes others to fear for their safety, and includes sexual violence, and workplace bullying and harassment. When referring to workplace violence, the response is often “we don’t have that in our company”, or a blank stare. When asked if they have ever had a dissatisfied customer who threatened employees, or an employee whose soon-to-be exboyfriend constantly harasses her at the workplace, or threatens staff whom he believes are having an “affair” with his partner/spouse, the response changes. Where threats come from Threats can come from anyone – from a soon-to-be dismissed employee who makes comments like “you will all regret this” or comes back after dismissal with a July 2022


Human Resources weapon to sending direct or veiled threats via email, mail, telephone or text messages to managers, directors, CEOs or COOs. Threat assessment and management as a field has been growing in the Americas, Europe, and Asia, but to date Africa has been slow to take up the banner. This, changed when the African Association of Threat Assessment Professionals (AfATAP), was created towards the end of 2019. AfATAP is a sister association to the US Association, the Canadian Association, the European Association, Asia-Pacific Association, and the recent Latin-American Association. AfATAP’s mandate is to develop the field of threat assessment and management on the African continent.

Safety and productivity While many threats, thankfully, don’t lead to lethal violence, it doesn’t mean that there are no physical, psychological, and work-place consequences. Employees who feel safe in their work environment will be more productive. If an employer acts proactively when employees are feeling threatened, before any violence takes place, the employees experience a positive attitude towards their employer, whom they perceive as caring about their well-being. Anxious staff are not productive and are more likely to take sick leave with anxietyrelated problems, or to seek alternative employment.

The law and threat assessment South Africa’s Occupational Health and Safety Act (No.85 of 1993) states that an employer has certain duties towards their employees. These duties include providing and maintaining a working environment that is safe and without risk to the health of its employees. Duties also include taking reasonable steps to eliminate or mitigate any hazard or potential hazard to the health and safety of employees, before resorting to personal protective equipment. The spirit of this Act can be interpreted to include the psychological and physical safety of employees in respect of violence and threats of violence. Employers can face civil actions from employees who are injured in the workplace, especially when there was some prior indication that violence could be a possible outcome.

Warning signs By identifying warning signs for potential violence, the employer can put a plan in action to avoid incidents of violence taking place. Training and experience is required to assess a potential threat and develop a strategy to effectively and responsibly prevent the violence from happening. A policy that simply states what behaviour is inappropriate, the reporting process for problematic behaviour and the consequences thereof, is not an effective workplace violence prevention policy. Problematic behaviour needs to be identified as early as possible, assessed by professionals, and an intervention strategy and monitoring process should be put in place.

Assault in the workplace In a recent Supreme Court of Appeal Judgement (CHURCHILL v PREMIER, MPUMALANGA [2021] ZASCA 16 (4 MARCH 2021) an employee of the Office of the Premier of the Mpumalanga Province won a case against her employer for an assault that took place in her workplace during a protest. It was held by the SCA that section 35 of COIDA was not applicable, and the employer could be sued for damages. Similarly, the Department of Employment and Labour released the Code of Good Practice on the Prevention and Elimination of Harassment in the Workplace. The Code’s definition of harassment includes violence. Times are indeed changing for employers when it comes to preventing violence and keeping people safe. w w w. m y o f f i c e m a g a z i n e . c o . z a

Intervention The outcome isn’t a punitive one in a threat assessment process, nor is it a disciplinary process. It is about intervening to help people (the person displaying the problematic behaviour and the person

experiencing the problematic behaviour) and by helping them reduce the risk of any form of harm. The phrase “from report to support” is very apt in this context. Typically, what happens when such issues arise is that the response from management is either “it’s part of the job, deal with it,” or management ignores the issue hoping it will go away. While the threatener may stop making threats, the effects on staff do not dissipate. Ironically, if receiving threats is “part of the job”, then there is even more of an onus on the employer to be proactive and have a plan in place. Employers do sometimes go overboard when the inkling of a threat is perceived by hiring more security guards, setting up physical checkpoints and the like at extremely high costs. The question remains: is there a genuine threat? For how long does one keep these costly measures in place? Is the increased response even enough to deal with the possible threat? Without a proper threat assessment, physical security measures

can only serve to define where the violent act will start (i.e., a security checkpoint). Even the most protected person in the world, the President of the United States of America, has an extensive “protective intelligence” capacity (the Secret Service) who are considered leaders in the field of threat assessment. A threat assessment is never a static ‘yes’ or ‘no’ response, and anyone putting themselves forward as a threat assessment expert who gives such a reply doesn’t understand the dynamic nature of threats. Someone who is a low threat today might be a high threat in two months’ time as circumstances in their lives change. Threat assessment professionals should always advise a client what to be on the lookout for that could indicate an increased, or deceased, level of threat. There should also almost always be a management plan provided to help reduce the level or threat, and typically a threat assessment case is never closed, due to this dynamic nature. Even if a problematic person exits the organisation, the threat isn’t over, and cases of exemployees coming back months or years later, to cause harm have occurred in South Africa. Training The solution, therefore, is that companies start to train their staff (HR personnel, managers, ethics officers, inhouse security) in the basic principles of threat assessment. Others in the organisation, whose responsibility it is to provide professional services of such a nature, can receive more in-depth training, with external consultants being used in select cases that are either complex in structure due the nature of the threat or those involved. Workers also need to inform management that these are issues that they are faced with and that they expect management to be able to effectively deal with such scenarios when they arise. This all needs to be tied together by an effective workplace violence prevention policy based on modern threat assessment principles, with a multidisciplinary team working together. � ACKNOWLEDGEMENT

How to stop bullying in the workplace Bullying or intimidation in the workplace has become so prevalent that a new Act, under the Employment Equity Act: Code of Good Practice on the Prevention and Elimination of Harassment in the Workplace. The amendment to the Act came into effect as of 18 March 2022. The onus now resides with the employer to ensure that best practise is in effect to reduce or eliminate workplace harassment. � Harassment may be the result of physical, verbal or psychological conduct; � Any unfair practice based on racial, ethnic or social origin will construe harassment; � The abuse of coercive power, which may involve aggressive behaviour, including insulting, demeaning or intimidating behaviour that lowers the self-esteem or selfconfidence of an employee; � Employers must take proactive and remedial steps to prevent all forms of harassment, including assessing the risk of harassment to employees; creating and maintaining an environment in which employees' dignity is respected; implementing a policy that addresses harassment; educating employees about harassment; implementing awareness programmes; and investigating allegations of harassment; � Employers who do not act to stop bullying timeously may be found liable in terms of the Employment Equity Act; and � Companies should have a zero-tolerance policy towards bullying and all other forms of harassment.

SARS makes a change to the upcoming tax season What you need to know

T

he tax filing dates for nonprovisional taxpayers for the 2023 tax season have been confirmed as 01 July 2022 to 24 October 2022 by the South African Revenue Service (SARS). Tax payers will have this period in which to file their tax returns.

This season is condensed in comparison with last year, which was over an extended period due to the Covid-19 Pandemic and the need for certain protocols to prohibit the spread of the virus. It is important that tax payers understand the tax filing process as the burden of proof under section 102(1) of the Tax Administration Act resides with the taxpayer. What you will need to file your taxes: � IRP5 or if you don’t have this a record of the year’s payslips � Third party data – like investments, medical aid and retirement tax certificates IT3(b), IT3(c), IT3(e) � Your travel logbook completed for the dates 01 March 2021 – 28 February 2022 � Overseas work-related travel will require copies of your passport � Proof of medical expenses not covered w w w. m y o f f i c e m a g a z i n e . c o . z a

Auto-assessments SARS is concerned as based on the 2021 tax season many people are not filing their tax returns. These people will be auto-assessed by SARS based on data that SARS receives from employers, financial institutions, medical schemes and retirement fund administrators. Taxpayers that are auto-assessed will get a notification from SARS informing them that there is a pre-populated income tax return on eFiling or on the SARS MobiApp. The tax payer can then either accept or edit this return. Any over- or underpayment will be processed as normal. Taxpayers are urged to review the autoassessment for accuracy and to confirm that certificates are loaded and that they correspond with the originals in your possession. If any are missing, they need to be uploaded and all data assessed

before accepting and submitting the autoassessment.

Penalties As mentioned previously, the burden of proof resides with the taxpayer as the assessment is essentially based upon information supplied by the taxpayer. If you disagree with or wish to dispute an assessment, you can file an accurate ITR12 tax return within 40 days of the estimated assessment. If you edit a preloaded tax return and SARS is not satisfied, they may select your return for review and verification. Thus, be very sure that you have all the backing documentation and certificates prior to making alterations. In the event that you owe SARS, payment can be made on eFiling or on the SARS MobiApp, via EFT. Filing an inaccurate return, filing the return late or failing to pay funds owed to SARS can result in an administrative penalty. The value of the penalty is based on the taxpayer’s taxable income and will be levied monthly until the matter is resolved. Settling down to read your favourite book is an experience; a well-deserved indulgence. And although we have e-readers and Kindles that take up much less space than a bookshelf filled to the brim with physical books, nothing surpasses the smell and feel of a real book! History

Hardcover books were traditionally held together with stitching and had a cardboard cover which was bound in cloth or leather.

The first mass-market paperback books were published on 30 July 1935, bearing the Penguin logo. These early paperbacks were made available for purchase at newsagents, which were found at most urban British railway stations. These smaller-than-usual books were the perfect size for railway travellers. Prior to this, one would have to visit a bookshop if you were looking for a book to read, and these books were not cheap. The only other option would be to borrow a book from a library. �
