With the rapidly changing situation in regard to Covid-19, I thought it was appropriate at this time to provide you with an update on our planning for Royal South Street’s 2020 Eisteddfod. Royal South Street Society will always put the health and well-being of our competitors, volunteers, audience and staff first and foremost. With this in mind we will continue to monitor developments and take advice from government and experts as to the actions we should take. Entries are now open for our disciplines and planning continues as normal for our competitions to open on 19 July. As per our General Rule 2.4 Entry Fees “Fees are non-refundable once entries close, unless for an extenuating circumstance or if the section is cancelled by RSSS.” Therefore should Royal South Street cancel a section or sections we would contact all affected competitors in regard to processing refunds. It has also been Royal South Street’s policy to treat illness as an extenuating circumstance and refunded entrant fees in those cases. Royal South Street Society will allow its staff to work from home where that is practical. This means that our office may at times be unattended. RSSS Australian Calisthenics Competition Conditions of entry. RSSS will adopt the following: A.

The current Australian Calisthenic Federation (ACF) National Rules and Regulations. A copy of these rules can be found at: http://www.calisthenics.asn.au/rules-and-guidelines. A hard copy will be available for reference at the RSSS office, backstage, at the chairman’s desk and in the timers’ book.

The current Calisthenics Victoria (CV) Team Competition Entry Booklet (with the exception of inapplicable sections (including but not limited to: 1.5, 3.2, 3.3.7, 3.3.9, 3.10.5 and 3.11) A copy of these rules can be found at: http://www.calisthenics.asn.au/rules-and-guidelines. A hard copy will be available for reference at the RSSS office, backstage, at the chairman’s desk and in the timers’ book.

The above are subject to RSSS Special Conditions and addendum or amendment as below: 1: Entry Date: Entries must be submitted by the online entry system Stardom at http://www.royalsouthstreet.com.au and must be completed by 5pm on Friday, 3rd April. 2: Late Entries: Are not to be submitted online. Requests for late entries will be considered and should be put in writing to julie@royalsouthstreet.com.au Late entry fees may apply. 3: Special Considerations: If there is a significant reason you cannot compete on any particular dates, you must notify us at julie@royalsouthstreet.com.au by Friday, 3rd April. Not all requests can be accommodated. 4: Entry Fees: Entries will only be accepted with full payment of entry fees according to the list above. 5: The Board of RSSS reserves the right to refuse any entry. 6: Final Decision: The decision of the Board in all questions and unresolved disputes arising out of, or not provided for by these conditions shall be final. 7: Composite teams: Are NOT permitted (amendment to ACF definition 1.1a) 8: Grading: Entries will only be accepted from Sub-Junior to Senior teams which have been graded by CV in Division 7 or above. Interstate teams must apply through RSSS before been graded by CV Grading Committee. Entries for Tinies will be accepted from teams graded from Championship to Division 1; then Division 2 to Division 5. 9: Communication: RSSS’S preferred form of communication is via email. It is the responsibility of the entrant to ensure that they are receiving any emails sent by RSSS representatives.


10: Risk: RSSS is insured for public liability which does not comprehensively cover injury to performers, individuals or schools/clubs. Entrants must ensure that they are adequately Covered whilst performing in these competitions or otherwise enter at their own risk. 11: Photography, Recording, Broadcasting: RSSS reserves the right to record, film, broadcast, telecast, live stream, videotape or photograph any entrant, item or event in the Eisteddfod without notification. Any such photograph, recording or broadcast may be used at the Eisteddfod’s discretion for publicity or promotional purposes, including competition results, photos via electronic and printed media at our discretion, but shall not necessarily constitute an endorsement of any participants, and no remuneration or compensation whatsoever shall be attributable to any participants so featured. RSSS will appoint official photographers and videographers to record/photograph/live stream any/all of performances during the competition. These photographs and videos can be retained, broadcast, telecast by RSSS for marketing, publicity and archival purposes, and by submitting your entry you automatically grant permission for this. Copies of photographs and videos will be made available to competitors/groups to purchase through the officially appointed photographers. All photos will be accessible via the official photographer’s online shop using individual discipline access codes. If for any reason you do not wish to have your individual/group performance photographed or recorded it is your responsibility to submit an official request in writing via email to julie@royalsouthstreet.com.au (annually) advising your objection by no later than 14 days prior to the performance date. This email must include the date, section number and performance number of the item/s involved. Individuals/teams may only be exempt from live streaming in the case of exceptional circumstances such as legal issues. 12: Medication: It is the responsibility of individual competitors who require medication to ensure that they carry it with them at all times and have it side stage in the event they should require it. It is the individual competitor’s responsibility to have a responsible person present to administer the medication in case of an emergency. 13: Backstage: Practice: no teams or individuals are to practise on stage or side stage during the competitions except during official warm-up before Free Exercises. This includes, but is not limited to doing walkovers, jetes or similar ‘tricks’, in the Green Room or passageways of the theatre. Dressing rooms: a. Decoration of rooms and passageways is not permitted. Only banners may be hung. Competitors must change in their designated dressing room. b. No public area is to be used for changing or any preparation of wardrobe (including application of hairspray, fake tan or glitter) c. No food or drinks (bottled water excepted) are to be consumed in the dressing rooms. Leg tan: competitors’ feet and legs must be covered before entering the auditorium. Please keep feet off seats and backs of seats. Footwear – is required to be worn at all times in all areas outside of the stage area. Non-performers side stage must have closed in footwear. Babies, toddlers and children are not to be in the stage area at any time unless performing in the item. No prams or pushers are to be left in corridors at any time.


No non-performing children aged 12 and under are to be left unsupervised in the theatre at any time. All corridors, stairwells, entrances or building access areas are to be kept clear at all times. Any items left in these areas will be moved. Lift - the stage access lift is only to be loaded under the direct supervision of HMT staff. All stage access, egress, fire escapes and exits, firefighting equipment areas, and access to prompt corner must be kept clear at all times. All large stage dressing or props must be carried to or from the stage via the stage lift. All other costumes and props must enter and leave the theatre via the stage door or Unicorn Lane. Access with these items from the main foyer will be refused. All valuables are the responsibility of the owner and are left in dressing rooms at their own risk. Back stage and coach passes (amendment to CV 2.5.1 to 2.5.2) HMT has strict backstage number limits and therefore dressing room and backstage passes will be allocated to each club using the following ratios: Dressing room:  Tinies and Sub-Juniors - One Pass for four participants  Juniors and Intermediates - One Pass for six participants  Seniors - One pass for eight participants  Coaches: Three coach passes (for registered level 1 and 2 coaches and registered assistants). Extra passes may be available where there are more than two teams, though this is at the discretion of the committee.  Stage Passes: for prop crews/assistants – these will be allocated on an as-needs basis upon request but will be restricted to numbers similar to Dressing room passes with a maximum of five per club. Note: Backstage passes do not allow access to the auditorium. 14: Stage dressing and props (read in conjunction with ACF: 1.1) Her Majesty’s Theatre has limitations in terms of space for storage of props and the added complexity of moving them from street level to stage level; RSSS request that Clubs keep the following in mind when planning their use of props and stage dressing. DEFINITIONS Stage dressing: props or scenery, modules, drums, ramps and platforms placed on the stage or behind the back-curtain line prior to the start of the item. Large props: props or scenery, modules, drums, ramps and platforms brought onto or placed on the stage or behind the back-curtain line during the item. Handheld props: small handheld items such as flags, swords, guns, stars, flowers, umbrellas, or items of a similar size/nature, including hand-held lengths of material stretched across the stage. Use of stage dressing and props at RSSS Non-minimal rules  Core items: Stage dressing and large props are NOT permitted.  Core items: Handheld props permitted, these may be placed on the stage area or behind the back curtain during the item if required.  Fancy items: Stage dressing, large props and handheld props all permitted. Minimal rules: Stage dressing, large props and handheld props all permitted. Stage dressing must be set and competitors ready to commence on stage within 4 (four) minutes, after which time the item will be announced and will commence. Time starts when the previous item has finished, and their stage dressing and props have been removed. Stage dressing and props must be removed in a timely manner at the completion of the item. Delays will not be tolerated.


Standard Steps – In previous years CV and RSSS have both provided sets of tiered steps for use during the competitions however usage was minimal and storage space prohibitive. RSSS no longer offers these steps but maintain that teams are not permitted to bring their own tiered steps, tiered ramps, tiered platforms or anything of a similar nature as there is not enough space at the theatre to accommodate them. Should a team wish to arrange a shared arrangement with other teams in their division, consideration to allow the use of a set of tiered steps or similar for that division will be considered. Please contact RSSS to discuss this option. Dimensions: stage dressing or large props must not exceed 3 meters in height. Preassembled stage dressing or large props whilst backstage must not exceed a footprint of 1.8m2 and no part of the large prop or stage dressing may protrude beyond that footprint. This rule will be strictly enforced. If a large prop or stage dressing is outside these dimensions the club/school will be requested to dismantle it. Large props or stage dressing that are assembled on stage (within time limits immediately prior to the performance of the item) are allowed to exceed these dimensions on stage. Please note: RSSS and HMT cannot guarantee space for every team equivalent to the footprint described above. RSSS and HMT reserve the right to limit the number or large props or stage dressing backstage at any time. • No items made of glass or ceramic are permitted on stage at any time. • All stage dressing or large props must be made to stand safely. If stage dressing or large props are fitted with wheels, they must be able to be locked. • Legs of flats must be hinged. • Staples must not be used on the stage area when assembling stage dressing or props. • If stage dressing or large props are unstable, the stage manager has the right to request that they not be used for safety reasons. • Persons other than registered team members are not permitted to hold stage dressing or props on stage. • If using guns of any kind as props, they must NOT be or look authentic. If a reasonable person thinks it looks like a gun, it is a gun. • Swords, knives etc. used as props, must be blunt and preferably made of wood or plastic. • Aerosol cans must not be used on stage. • Octopus straps or similar items are not to be used on stage dressing or props. • No talcum powder, resin or anything of a similar nature is to be used. • No flown scenery may be used. • No helium balloons allowed. 15: Stage Area:

A diagram of the proposed stage set up and dimensions will be available closer to the competition date at www.royalsouthstreet.com.au/competition/calisthenics. The pit area in front of the proscenium is installed for safety and is not a performance space. The area in front of the white line is not lit. Please do not proceed past this white line. 16: Sound, Lighting and Visual Effects:

Technical faults – see definition in ACF definitions 1.1 L. Should a technical fault occur the coach and stage manager in consultation should call for the item to be stopped. Once the fault is rectified, the team may repeat their performance as soon as possible, ie. it will not always be scheduled for the end of that section and could be immediately.

Lighting: a full description of lighting available and rules regarding use of lighting can be found at www.royalsouthstreet.com.au/competition/calisthenics/. Data projector: is available for use in all fancy item’s sections. Hired from RSSS. Clubs must supply their own operator and use a USB or a DVD. Presentations must


be formatted to play as a Microsoft PowerPoint presentation or formatted as a DVD. Audio may also be submitted on the same device as the PowerPoint presentation, DVD or USB but must be checked by a theatre technician during a booked plotting session. In addition, a separate copy of the music should be available as a backup. Smoke machine: can be hired from RSSS. No use of smoke machine allowed for Tinies. No bubble, snow or other type of machines are to be used. (see also ACF 1.1)

Music: This year RSSS asks that the main version of your music be provided on USB or CD. CDs must be named on correct side, advice on how to label USB devices will be provided to coaches closer to the competition. It is recommended that there be only one track per CD/USB. Multiple tracks cannot be played for one performance item. Back up music may be on CD or USB or another digital device (use of a phone or similar device could result in a poor sound quality). Electrical items: all leads, appliances, lights and stage property lighting for use on 240 volts within the theatre, must have a current safety compliance tag. This includes any electrical item used in the dressing rooms (eg. hair straighteners, curlers.) Batteries must be sealed. No single insulated cable is permitted to be connected to any theatre power source. This applies to all voltages including extra low voltage (under 32 volts).

17: Safety: The theatre technician and stage manager may prevent a planned performance if in their opinion technical safety is inadequate. Risk assessment forms (JSEA) are required for any performances using props that have any risk associated with their use including, for example, balls, ladders, wheeled items, etc. Provision for completing a risk assessment will be included with competition registration via MyStage. All patrons must observe directions or commands given by HMT staff, RSSS staff and RSSS volunteers. Streets adjacent to all entrances to the theatre are public streets and safety should be considered at all times. 18: Peace & Quiet Graceful Girl Entrants must be 18 years or over on the 31st December of the current year. Competitors will need to have competed in an ACF recognised team competition in at least two items during 2020. Each state or territory can choose their representatives for each competition and inform RSSS of their invitees’ the RSSS will officially invite them to enter. Previous winners are ineligible to enter. See www.royalsouthstreet.com.au/competition/calisthenics for further details of the entry process. In 2020 the follow numbers will be entered: Victoria 12 entrants, South Australia 3 entrants; Western Australia 3 entrants; Queensland 3 entrants; Australian Capital Territory 3 entrants, New South Wales 1 entrant & Northern Territory 1 entrant. 19: Ballaarat Calisthenics Solo Entrants must be 18 years or over on the 31st December of the current year. Competitors will need to have competed in an ACF recognised team competition in at least two items during 2020. Each state or territory can choose their representatives for each competition and inform RSSS of their invitees’ the RSSS will officially invite them to enter. In 2020 the follow numbers will be entered: Victoria 12 entrants (with 5 emergencies), South Australia 3 entrants; Western Australia 3 entrants; Queensland 3 entrants; Australian Capital Territory 3 entrants, New South Wales 1 entrant & Northern Territory 1 entrant. 20:

RSSS reserves the right to amend the Conditions of Entry at any time. Should such amendments be made after entry, notification will be sent to the email address provided by the entrant upon entry.


PERPETUAL TROPHIES In sections where perpetual trophies are awarded the trophies will be held by the winner for 10 months. It is an expectation that all perpetual trophies MUST be returned to RSSS after 10 months in a clean, polished and presentable condition. All holders of trophies will be held responsible for their safe custody, engraving and return at their own expense.

Syndal was a very successful club before closing and years later became Ceres, Syndal was run by Marlen Buckthorn. Gwen Woodward Memorial Shield – Awarded to the winner of Elite Senior Figure March. Gwen was the President of VCCA for many years, coached and became a life member of VCCA. She was the head Coach at Brentwood Calisthenics Club. Effie McIntyre Memorial Perpetual Trophy – Awarded to the winner of Elite Senior Rhythmical Aesthetic. Donated by Lyn O’Brien, Noelene Ransome and Pauline James. Coltman Family W-to-W Centenary Perpetual Trophy – Awarded to the winner of Elite Senior Dance Arrangement. Donated by the Coltman Family. Mrs Pat Miles Memorial Perpetual Trophy – Awarded to the winner of Championship Junior Calisthenic Revue/Dance Arrangement. Pat opened and was principal coach of Beaumaris Calisthenics, highly successful and known for her inspiring and forward creative choreography. She also coached winning Graceful Girls such as Lisa Pallot. Plus was a renowned adjudicator.

Honourable Mention Trophies - Donated by Carwen Calisthenics in memory of Ray Benn who was a stage manager at RSSS for many years. Renee Knight Memorial Perpetual Trophy – Award to the winner of the Peace & Quiet Graceful Girl. Donated by Sovereign Calisthenic College, Ballarat, this trophy is presented in memory of Renee who competed in the RSSS Graceful Solo in 1995, 1996 (Honourable Mention), 1999 and 2000. Sandra Iddles Memorial Perpetual Trophy - Awarded to the winning Coach of the Peace & Quiet Graceful Solo. – Donated by friends of Sandra. Sandra was the daughter of Vera Binstead who opened Bentleigh Calisthenics. Also was the teacher at Bentleigh for many years. General Conditions General Conditions General Conditions apply to all sections in the competitions unless stated otherwise. Special Conditions for specific sections appear under the appropriate section in the Competition Schedule. To the extent of any inconsistency, Special Conditions will take precedence over General Conditions. ‘The Board’ refers to the Royal South Street Society Board of Directors. “RSSS” refers to the Royal South Street Society. 1.

THE COMPETITION

1.1

A competitor performs an item in a section within a discipline (E.g.Vocal). A section may be split into divisions if a high volume of entries are received.

1.2

COMPETITOR - A competitor may be one person, or any group of two or more people. Each group competing in a section must comprise completely different competitors, unless stated otherwise in the Special Conditions.

1.3

ONE ENTRY - Only one entry is allowed from each competitor in each section, unless stated otherwise in the Special Conditions.

1.4

REPEAT OF ITEMS - An item by a competitor can only be performed once during the current competition, within the same discipline, except where special conditions permit otherwise.

1.5

Competitors who have been taught by the adjudicator of their section within the last 12 months are ineligible to enter.

2.

ENTRIES

2.1

AGE LIMIT – Herald Sun Aria – Competitors must be at least 17 and not over 35 years on 31 December of the current year. Calisthenic Sections – The competitors age on 31 December of the current year. Dance Sections – The competitors age on 31st December of the preceding year All Other Sections - The competitor's age on 1 January of the current year, shall be deemed the age required in the sections specifying age limits.

2.2

ENTRY DATE – Entries must be submitted via our ONLINE competition database on or before Friday 24th April. Calisthenics entries to be lodged before Friday 3rd April. Herald Sun Aria entries to be lodged before Friday 26th June. All entries must comply with the general competition rules at the time of entry. A confirmation will be generated for the competitor and it is the competitor’s responsibility to confirm all details of the entry are correct. There are no refunds for cancellations after the closing date. Should alterations be required, a request via email to info@royalsouthstreet.com.au must be forwarded to the Society. Responsibility for

General Conditions correct entry rests with the entrant. The eisteddfod cannot be responsible for entries lost through failed electronic transmission or incorrectly submitted online via our stardom entry system. Check your junk mail if you don’t receive a confirmation email. 2.3

LATE ENTRIES will NOT be accepted past the due date for the 2020 competitions. Due to Royal South Street Society using an ONLINE competition entry system, we are unable to process or receive entries after the due date. Exceptional circumstances via email to info@royalsouthstreet.com.au may be considered however will be subject to additional late fees. Late entries are only accepted subject to our final timetabling capacity and program deadlines without obligation. We reserve the right to not print late entries in the guidebook, however all entries will be announced by the MC on the day.

2.4

ENTRY FEES - No entry will be accepted unless processed online with full payment. Entry fees are shown with discipline section items in the Competition Schedule. Fees for Calisthenics sections appear at the start of the section. Education schools may request an invoice by submitting a purchase order to admin@royalsouthstreet.com.au which must be paid within 21 days of receiving the invoice. Fees are payable to the Royal South Street Society. Fees are non-refundable once entries close, unless for an extenuating circumstance or if the section is cancelled by RSSS.

2.5

COMPETITORS NAMES - All competitors must submit with their ONLINE entry correct names, dates of birth and addresses. No competitor will be allowed to compete under any name other than as stated in their entry. A person is only permitted to enter ONCE in the SAME event, except where otherwise allowed.

2.6

NAMES OF PERSONS IN DUOS/TRIOS - In all items where two or three persons are competing, the name of each person must be given at the time of entry in order for the entry to be accepted and processed correctly online.

2.7

NON-ACCEPTANCE - The board reserves the right to refuse any entry.

2.8

MINIMUM/MAXIMUM - The board or section representative may at its discretion cancel, combine or divide any section/s that have 3 or less entries at the time of entries closing. Refunds will be given when a section is cancelled.

2.9

NAMES OF COMPETITORS IN GROUPS - In all group items, a list of the names of all people appearing in each item must be held by the school representative. A separate list for each item must be supplied to comply with Occupational Health and Safety requirements.

2.10

COMPETITION ENTRY DISCLAIMERS

a)

COPYRIGHT – I/we declare that all necessary licences for copyright have been obtained and only originals or licensed copies will be used in accordance with copyright laws and agreements. 3


General Conditions I/we certify that if I/we will be performing in RSSS competitions from a printed copy, it will be either an original published edition; a photocopy, transcription or arrangement that is accompanied by written authorisation from the copyright owner authorising that photocopy, transcription or arrangement; or an original published edition where both the work and edition are out of copyright (in the public domain). I/we recognise failure to comply with copyright conditions and procedures outlined on our website as well as information supplied to competitors prior to the commencement of our competition - will result in the competitor being unable to compete. b)

RISK – I/we recognise that RSSS is insured for public liability which does not comprehensively cover injury to performers, and that individuals or schools must ensure that they are adequately covered whilst performing in these competitions or otherwise enter at their own risk.

c)

PHOTOGRAPHY & RECORDING – I/we acknowledge RSSS reserves the right to record, film, broadcast, telecast, live stream, videotape or photograph any entrant, item or event in the eisteddfod without notification. Any such photograph, recording or broadcast may be used at RSSS’s discretion for publicity or promotional purposes, including, but not limited to, competition results, print and broadcast media and social media. Any use of images shall not necessarily constitute an endorsement of any participants, and no remuneration or compensation whatsoever shall be attributable to any participants so featured. I/we agree to RSSS appointing official photographers and videographers to record/photograph/ live stream any/all of my/group performance during the competition. These photographs and videos can be retained, broadcast, telecast by RSSS for marketing, publicity and archival purposes. By submitting your entry, you have granted permission for this. Where they exist, copies of photographs and videos may be made available to competitors/groups to purchase through the officially appointed photographers. If for any reason you do not wish to have your individual/group performance photographed or recorded, it is your responsibility to submit an official request in writing to the RSSS office advising your objection by no later than 14 days prior to the performance date. Individuals/ teams may only be exempt from live streaming in the case of exceptional circumstances such as legal issues. Notification should be sent by email to info@royalsouthstreet.com.au and include the date, section number and performance number of the item. A new request must be submitted for each section and a new request submitted each year. I/we agree that if photos are taken at RSSS’s Eisteddfod, are publicly posted on social media, and are tagged with @rss, #royalsouthstreet or any variation, then RSSS may repost these to RSSS official social media sites.

General Conditions d)

PERSONAL DETAILS (eg. Name, locality, and age category of sections) are published in the “Guidebook” and competitors should be aware that such details may be used by media outlets. Any further information concerning a competitor will not be provided to anyone without the competitor’s express permission.

e)

CONDITIONS – Competitors/guardians acknowledge that I/we have read and agree to abide by the “General Conditions of Competition”, and where relevant “Theatre Rules” and “Special Conditions of Competition”. Competitors/guardians acknowledge that failure to comply with any of the foregoing rules and conditions may result in disqualification, the withholding of prizes, and a future bar in competition. The decision of the Board or relevant discipline committees in all questions or disputes arising out of or not provided for, by these rules and regulations will be final. All entries are received according to this condition and in the spirit of friendly competition upon which the eisteddfod is based; accordingly, no dispute shall become the subject of any appeal at law.

f)

MEDICATION – Competitors/guardians acknowledge that it is the responsibility of individual competitors who require medication to ensure that they carry it with them at all times and have it side stage in the event they should require it. It is the individual competitor’s responsibility to have a responsible person present to administer the medication in case of an emergency.

ADJUDICATORS

3.1

ASSISTANTS - The board reserves the right to appoint a co-adjudicator, or assistant, or substitute adjudicator when necessary.

3.2

COMPLIANCE - The adjudicator's decision as to whether or not an item presented or proposed by a competitor complies with the conditions of a particular section shall be final.

3.3

COMMUNICATION - Any unwarranted communication with the adjudicators, either by competitors, teachers, parents or other interested parties during the competitions is prohibited. Prohibited contact includes verbal, email, SMS or social mediums such as Facebook, Twitter, Internet, and Blogs or through any third party. Discipline Chairs or their delegates from their sub-committee may approach the Adjudicators when and if required to do.

3.4

CRITIQUE - A detailed critique by the adjudicator will be provided for competitors in each section. It may be obtained at the RSSS office at the end of each section, except Calisthenics where critiques will be available at the end of the division and will only be given to coaches.

3.5

PRIZE - The adjudicator has the right to withhold any prize. In the event of a tie for first in any section the first and second prize shall be divided equally between the tied competitors and no second will be awarded. The competitor with the next highest points will be awarded third. In the event of a tie for second prize, the second and third prize shall be equally divided between the tied competitors and no 5


General Conditions third will be awarded. When awarding an Honourable Mention or Highly Commended these achievements are to be considered fourth and fifth place respectively. 3.6

SOUND LEVEL - The adjudicator has the right to control the level of any amplified sound in the auditorium.

COMPETITOR OBLIGATIONS

4.1

COPYRIGHT: For all information relating to copyright of all printed, photocopied, recorded, adapted or reproduced material, please refer to the relevant competition page on the Royal South Street website http://royalsouthstreet.com.au/competition/. Failure to comply with copyright conditions and procedures will result in the competitor being unable to compete. Refer General Rule 2.10, A.

4.2

INSURANCE - The board requires all competitors to be responsible for insuring themselves or group/troupe members etc., against personal injury arising out of participation in the competitions. Refer General Rule 2.10, B.

4.3

ORDER OF COMPETING - Competitors must compete in the order in which their names appear in the program unless officially authorised or directed otherwise. If not present when called upon, competitors are liable for disqualification.

4.4

PROOF OF AGE - In any section where an age limit is specified, the board reserves the right to ask any competitor, at any time, to provide a proof of age. Any prize money may be withheld until such proof has been provided.

4.5

PERSONAL PRESENTATION - The board expects behaviour of competitors and audience to be appropriate to the occasion. Inappropriate language and movements are not appreciated except for Speech & Drama where applicable. Offenders may be removed from the theatre. All competitors are requested to dress neatly and present well on stage. Performances should be appropriate to the competitors’ age and to conservative community values. Inappropriate language and movements are not appreciated.

4.6

REHEARSAL - No rehearsal or practice is permitted on the stage to be used for the competitions during the currency of the discipline for which the competitor is entered. Any competitor not observing this condition may be disqualified. Dancing championship sections and Calisthenics Free Exercises are exempt.

4.7

WITHDRAWALS – Competitors who do not intend to compete in a section for which they have entered should as a courtesy notify the office to that effect 24 hours before the time appointed for that particular section.

4.8

REGISTRATION – Entrants (or a representative) must register with the session manager backstage (or as directed) at least 30 minutes before the start of the session or estimated time as advertised. * Session is Morning, Afternoon & Evening. 6

GENERAL ADVICE

5.1

COMMUNICATION - The Royal South Street Society’s preferred form of communication is via email. Any correspondence with the society should be in email format, it is the responsibility of the entrant to assure that they are receiving any emails sent by Royal South Street Society representatives.

5.2

CAMERAS, VIDEOS RECORDERS, AND MOBILE DEVICES. - The use of these by members of the audience during the competitions is strictly prohibited during items or when stage lights are down. Mobile Devices must be turned to silent while in the auditorium. Offenders may be removed from the auditorium and recording destroyed. Performances are copyright. Performances may be photographed and recorded by official photographers/videographers. Teachers, coaches, competitors, parents or representatives are strictly prohibited from filming, recording or taking photography of any performance. Privacy and legal consent must be respected at all times. Lights of any form including light up pens and mobile phone torches must not be used during a performance.

5.3

PROTESTS - To be made in writing, within one hour of the disputed competition, and to be accompanied by a $25 deposit, this will be forfeited if the protest is deemed frivolous. Calisthenics excluded see ACF rules 1.6.

5.4

STAGE – The stage plan for Her Majesty’s Theatre is located on the RSSS website on the competition page.

5.5

STAGE EFFECTS - No helium balloons, lighted candles, sparklers, lighted cigarettes, exploding device (e.g. party poppers), or any naked flames are permitted. Approved smoke or fog effects are permitted in appropriate sections. Bubble or snow generators or aerosol sprays are not permitted. The society provides stage lighting and audio amplification.

5.6

STAGE PROPERTIES – All props must comply with safety regulations as stated on the RSSS website. Failure to comply will result in the props being banned. Note also no glass or ceramic items allowed on stage. No staples to be used repairing or assembling props on stage. If hay bales are used, they must be covered in plastic sheeting. Live animals, water, unprotected mechanical or electrical devices, or any dangerous items are not to be used.

5.7

ELECTRICALS – All leads, appliances, lights and stage property lighting using 240 volts within the theatre, must have a current safety compliance tag. (In service safety inspections and testing to Australian Standard 3760, can be performed by your local A or B Grade electrician). No single insulated cable is permitted to be connected to any Theatre power source. This applies to all voltages including extra low voltage (under 32 volts).

Volunteer event staff (other than discipline representatives) are not permitted to advise, interpret or vary any rules, conditions, or any aspect of the conduct of the competition. The eisteddfod will not accept responsibility for any effect arising from such unauthorised comment.

5.9

SIDE STAGE – Side stage is off limits to any unessential personal, this includes parents, family members and friends. Only performers, teachers/ coaches and those required to complete a task at the time will be allowed side stage.

6

PRIZES

6.1

PRIZE MONEY/MEDALS - Prize money and medals for solo, duo or trio items may be obtained at the RSSS office immediately after the awards are announced or in some cases may be presented on stage. Certificates may be purchased at the office.

6.2

TIES - In the event of a tie for first prize in any section the first and second prize money shall be divided equally between the tied competitors. The competitor with the next highest points will be awarded third prize and no second will be awarded. In the event of a tie for second prize, the second and third prize money shall be equally divided between the tied competitors and no third will be awarded.

6.3

AGGREGATE PRIZES - Aggregates are determined by adding points assigned to first, second and third places won in the various sections specified. Points are assigned thus - First, 5 points; Second, 3 points; Third, 1 point. Calisthenic and dancing sections use a different scoring method. Full aggregate points to be allocated in the event of a tie. E.g. Equal first 5 points each. Calisthenic and dancing sections use a different scoring method. Calisthenics is exempt.

6.4

AGGREGATE TIE - Where a tie for an aggregate occurs, reassessment is made thus greatest number of firsts to decide winner. If first are equal, then greatest number of seconds decides the winner. If a tie still exists, any prize money will be divided as in prize ties 6.2. Calisthenics section is exempt.

6.5

PERPETUAL TROPHIES - Will be held by the winner for 11 months. It is an expectation that all perpetual trophies MUST be returned to the RSSS after 11 months. All holders of trophies will be held responsible for their safe custody, engraving and return at their own expense. All trophies must be returned in the same condition they were received.

6.6

CRIT ONLY – RSSS OR Discipline Chairs reserves the right to allow an item to perform for crit only in the event there are insufficient entries to meet our minimum requirements to run a section with prize money, or there is deemed to be a conflict of interest as determined by the RSSS board, Discipline Chair or adjudicator.

7.

RIGHTS OF BOARD

7.1

FINAL DECISION - The decision of the board in all questions and unresolved disputes arising out of, or not provided for, by these conditions, shall be final. 8

SAFETY

8.1

RISK - Competitors acknowledge that they compete at their own risk.

8.2

Performances should be designed to be safe for the performer, audience and theatre. Any ‘unusual’ items should be discussed with RSSS and the theatre technician first.

8.3

THEATRE REQUIREMENTS – All competitors performing must read “theatre rules” and the “risk assessment” as specified on the Competition pages of the RSSS website http://royalsouthstreet.com.au/ and act where relevant.

8.4

The theatre technician and stage manager may prevent a planned performance if in their opinion technical safety is inadequate. Risk assessment forms (JSEA) are required for any performances using props that have ANY risk associated with their use including things such as balls, ladders, or wheeled items for example. Forms are available from our website and should be submitted at/by the deadline list on our website which is at least two weeks prior to commencement of the discipline. Please contact the RSSS office if you are unsure.

8.5

The theatre technician, stage manager or adjudicator has the right to stop any item if they are of the opinion a competitor has suffered a serious injury, or there is a possible risk of serious injury.

8.6

Items so stopped (8.4, 8.5) may be repeated and adjudicated normally, at an appropriate time, subject to the opinion of the adjudicator and stage manager on the nature of the danger. Calisthenics: See safety requirement ACF Rules 1.1.k viii & ix.

8.7

Minor accidents which occur due to faulty property, choreography, or costume design, are not necessarily a reason for such a stop and restart of an item. Only the ultimate safety of the competitor is to be considered.

8.8

All patrons must observe directions or commands given by theatre personnel, RSSS Staff and Volunteers.

8.9

In the event of evacuation of the theatre, patrons should comply with directions from Theatre staff and Royal South Street Society Staff & Trained Ushers.
