Providence Care is nearing go-live Milestone 1!
The ePR system will be turned on at SMOL on September 25 at 7 a.m. Nurses will be able to start the morning shift with the new system up and running. To celebrate this big achievement, please join us on September 25th at 10:30 a.m. in the SMOL main entrance. Cake and coffee will be served during the celebration. Coffee will be also served in the main entrance from 7 a.m. to 7 p.m. on September 25th, 26th and 27th. This will be a journey and we want to support your efforts and contribution to the project.

Who will be going live?
SMOL inpatient programs: Complex Continuing Care, Palliative Care, Specialized Geriatrics, Physical Medicine and Rehabilitation Outpatient and Community programs: Acute Care Consult Service (SG), Day Hospital, Geriatric Medical Clinics, Geriatric Outreach Assessment Service, Outpatient Rehabilitation services, Regional Community Brain Injury Services (RCBIS), Day Hospital and Rehabilitation Management Services (RMS) * All other services and programs will be going live with Milestone 2.
Do you need more training tools? All Training manuals and ePR tools (e.g. brochures, quick references card, etc.) can be found on the ePR intranet page. If you need more copies, you can send an email to epr@providencecare.ca clearly identifying the documents name and the number of copies needed.
Day-in-the-life of a staff member Implementing a new system is more than following technology advancement; it is also improving the way we work and putting patients at the centre of our care. It also means changing some processes currently in place. In order to help staff during this transition, Diana O’Grady, Director of Professional Practice, with the help of key staff members, held multiple meetings with inpatient nurses and allied health staff members during the month of August. Staff could ask questions and get a better understanding of how the new ePR system will change their daily work. Resources have also been developed to illustrate how the new patient care system will impact staff everyday work. Posters and documents about “day-in-the-life” of an inpatient physician, inpatient Nurse, inpatient Allied Health staff member and outpatient and Community staff member are now accessible on the ePR intranet page.

You will also see them during training sessions, helping those less familiar with technology learn the new system more quickly. ePR Trainers Training for the Nursing and Allied Health component of the ePR system will be done by Janice Hartley, Barb Knapton, Chris Allison, Shannon Lewers and Janice Sochasky. They have kindly agreed to be the ePR main trainers for milestone 1 and 2. Bill Brown will be working with Kathleen Fitzpatrick, ePR Project Manager for the Physician Module, to train Providence Care physicians.

e Patient RecordNews ePR Training has started for milestone 1 The ePR training for staff members at St. Mary’s of the Lake and related outpatient and community programs started on September 3rd and will continue until September 22nd. During the training,staff go through real life patient journey scenarios in the ePR system. Some are practicing a medication administration, others are entering order entry, etc. The scenarios reflect routine interactions with the new system and also specific situations that could be encountered during a shift. Training materials,as well as training manuals, a quick references card and other tools, have been distributed so staff can leave the training room and have tools to help them in their work. Once their training is completed, any staff member can express the need to receive additional training. Some training places have been saved to allow staff to come back in the classroom. ID and passwords will be provided to them either during the training sessions or shortly afterwards. It wil allow them to log on any computer with an ePR access or come back in the classroom to practice on the ePR system. Practicing scenarios on the system will help staff get more at ease with the new ePR system.If you have already received training but you didn’t received your ID and password, please connect with Helpdesk at extension 2550.

Your access to the system PROD logo: This icon will give you direct access to the new patient care system. Our Providence Care ePR system will still be fully integrated with the KGH/HDH one, but uniquely identified with our own logo to avoid confusion with the previous access some users had to the KGH PCS system. TRAIN logo: This icon gives you access to a training environment of the system. It will allow users to be trained on the system without changing information on real patient records. DEV logo: This icon is used to access to the development environment of the system, where ePR staff members are building the system. It allows the team to tweak and make changes to the system without affecting front line work.
The Command Centre: what you should know! Once the system is up and running, the first few days will be an adaptation; it will be a learning curve. You might struggle to find some information, forget how to enter an order or even be unsure if this documentation is hybrid or fully electronic. You should always seek a champion’s help; they will be on the units to help you. But what if your problem is more complex and has a direct impact on the system or you can not locate a champion? You should connect directly with the Command Centre! The Command Centre will be on site to resolve all system issues and challenges that are expected with a project of this size. They will also provide support at any time of the day, even during night shift. The Command Centre can be reached at any time by calling Helpdesk x 2550.
