BOARD OF EXAMINERS (BoE) EXPLAINE D Version 2

INTRODUCT ION The Phoenix Board of Examiners (BOE)was established in 1997. • • • • •

The primary role of the BOEis to monitor student academic progress. The Board of Examiners is normally chaired by the Principal or if in the absence of the Principal, the Deputy Principal or VET Manager (VM) All BOE'shave an agenda and minutes are recorded and retained. All outcomes of the BOEare recorded on the student databaseand spreadsheets, and acted upon. Excel spreadsheets contain the raw scores of all units of enrolment for all students and recommendations for remediation and promotion are noted within the spreadsheets.

NOMENCLATURE AND EVENTS Meetings: There are two types of meetings: STUDENT PROGRESS MEETI NGS: • Year 11/12 held in week 6 of the course Diploma of Businessheld in week 6 of the course • EAPnot held • GECnot held BOARD OF EXAMINERS MEETI NGS: • Year 11/12 held at the end of week 12 • Diploma of Businessheld at the end of week 12 • EAPheld every 6 weeks • GECheld every 6 weeks • High School Preparation held every 6 weeks ACTIVI TY OF THE MEETI NGS • • • • • • • • •

All Academic staff teaching students enrolled in any of the courses attends these meetings. The Principal chairs the meetings The Deputy Principal and VET Manager (VM) attend these meetings. The Student Services Officer takes the minutes and records outcomes on the student database The Phoenix Registrar also attends these meetings and is the link with pathway partners and DIAC At these meetings every student’s progress is discussed and recorded. Student Progress Update Reports are agreed upon. These reports are given to students and copies are filed in student files. Agents and parents are notified for those students deemed to be AT RISK Written Notices of Unsatisfactory course progress are also agreed upon and may be issued for attendance or academic problems.

Student Performance Interviews include discussion about the need for additional academic support/remediation in literacy and numeracy and are also agreed and noted for action at these meetings Intervention strategies for remediation include compulsory attendance at special literacy or numeracy classes(for VET students), attendance at Special Focus classes(for GECand EAPstudents). Theseclassesare provided at no extra charge however attendance is monitored closely and is compulsory. Pastoral Counselling needs are also discussedat the meeting and agreed upon Student load is discussed and enrolment of unit load for the following term is agreed upon and minuted. Unit Enrolment forms for each student are completed at the end of each meeting for the forthcoming term Generally students making good progressare not discussed in any detail and are recorded as being ON TRACK At the BOEstudents nominated for Commendation or DUX Awards are discussedand decisions are recorded. If the students have completed their qualification they are issued with a final statement of attainment/ academic transcript and certificate, if they haven’t completed the qualification they are issued with an Interim Academic Statement All student grades and discussion on outcomes of achievement or lack of progress are discussed at the meeting and are recorded on the student database All students seeking compassion or a special consideration must provide a written statement and supporting medical certificates at least 2 working days before the meeting. Supplementary Examinations are granted where appropriate (Only at BOE meetings) The BOEmay make recommendation that a student’s enrolment be deferred, suspended or terminated and this recommendation must be substantiated with evidence of intervention strategies being actioned over at least the preceding 24 week period
