The precise duties and responsibilities of any job may be expected to change over time. 1. JOB TITLE: Professional Office Assistant 2. REPORTS TO: The Professional Office Assistant will be a direct report to the HEAL 10 Project Manager of the Fort Drum Regional Health Planning Organization. 3. PURPOSE: Provide office and accounting support through data entry, clerical duties and financial tracking for all details of the FDRHPO’s Heal 10 grant. 4. PRINCIPAL DUTIES 

Carry out daily office operations, including answering phone, managing mail, faxes and email.

Establish, develop, maintain and update filing systems for the project.

Manage budgetary transactions, including purchase orders and check requests.

Complete data entry and financial tracking within Quick Books

Take meeting minutes and action items during meetings and perform follow-up.

Create and report status of the components that apply to the job duties to the HEAL 10 Project Manager of FDRHPO (weekly)

5. CONTEXT: The Professional Office Assistant will provide office and accounting support through data entry, clerical duties and financial tracking. The Professional Office Assistant will assist the HEAL 10 Project Manager by performing organizational and managerial tasks, which will ensure a coordinated and efficient project. With multiple stakeholders and a substantial budget, one of the main responsibilities will be financial tracking within Quick Books. With a comprehensive organizational chart of employees and vendors partaking in the HEAL 10 Project, the Professional Office Assistant will aid the Project Manager in coordination and administrative tasks. 6. DIMENSIONS: The Professional Office Assistant will be a direct report to the HEAL 10 Project Manager. The primary responsibility of the Professional Office Assistant is to track and report all financial activity within the Health 10 Project, which will support a Patient Centered Medical Home (PCMH) model to address chronic obstructive pulmonary disease (COPD) in Jefferson, Lewis and southern St. Lawrence counties in northern New York. 7. QUALIFICATIONS 

Associate degree in Accounting or related field

2+ years experience with Quick Books and Microsoft Office (Word, Excel, Outlook and PowerPoint minimum)

Familiarity with Microsoft Project (able to update tasks and print reports)

Computer word processing and data entry skills


Experience in performing administrative duties

Knowledge of modern office practices and procedures

Highly responsible, accurate and respectful of any confidential matter

Ability to work as a team member with strong interpersonal skills

Possess strong written and verbal skills

Flexibility, adaptability and willingness to learn

Ability to handle multiple assignments concurrently and be very results-oriented
