ae pl acement Upon ar r ival you w ill take tests so that you can be placed in one of the pr ogr am levels. English placem ent testing consists tw o assessm ents: an online English pr oficiency test and a tim ed w r iting test. The online test m easur es a student's English language pr oficiency in tw o ar eas: -

-

Use of English m easur es the know ledge of gr am m ar , ability to use gr am m atical for m s to under stand the m eaning com m unicated in the context of differ ent levels of difficulty. Listening m easur es a student's ability to under stand liter al, intended, and im plied m eanings being com m unicated in dialogues of differ ent lengths and m onologues.

The tim ed w r iting exam m easur es a student's ability to w r ite m ultiple cohesive par agr aphs on a topic and pr ovides a context for gr am m ar assessm ent. The final AE level placem ent decision is based on the com bination of over all OOPT scor e and the AE w r iting placem ent exam . Although students m ay be higher in one skill, the placem ent level r epr esents the aver age of all abilities as dem onstr ated by placem ent testing. Students ar e given their placem ent level r esults befor e they r egister for classes.

appeal inga pl acement decision New students w ho believe that a m istake has been m ade w ith their placem ent decision should fill out a Placem ent Appeal For m at the fr ont desk by Wednesday at 5pm the fir st w eek of classes. W hen a new student r equests a level change, the pr ogr am looks at their placem ent test scor es and the AE Placem ent Decision M atr ix to see if ther e is a m istake. If the placem ent decision is cor r ect and ther e is no m istake, the pr ogr am contacts teacher s for the evidence of the student?s exceptional w or k on com pleting initial cour se outcom es. If w e r eceive com pelling evidence fr om 3 of the 4 teacher s for a student, w e w ill consider a level change by r eview ing the placem ent w r iting and analyzing the scor es in each ar ea of OOPT - Use of English and Listening. Please continue to go to your classes because teacher s look car efully at student w or k to m ake sur e students ar e in the r ight level. Go to class and do your best so that teacher s have an accur ate sense of your language ability. Ther e ar e no level changes after the second w eek and INTO USF has the r ight to m ake the final decisions on student placem ent.

We do that to ensur e that the cur r ent level of the student's English pr oficiency is equivalent to the level the student w as pr om oted to pr ior to leaving the pr ogr am . For exam ple, being pr om oted to level 4 befor e leaving the pr ogr am doesn't guar antee that upon the student's r etur n they w ill be placed in level 4.

AEATTENDANCE Cl ass At t endance is Requir ed The m axim um num ber of hour s that can be m issed is pr inted at the top of each class schedule and is deter m ined by the class hour s. Students facing ser ious pr oblem s that pr event them fr om attending class m ust see an advisor in the INTO USF Center. Students ar e r equir ed to attend classes fr om the fir st day to the last day of the sem ester. If a student ar r ives to the pr ogr am late w ithout pr ior appr oval, they w ill be m ar ked absent for any classes they have m issed. If a student leaves the pr ogr am befor e the last day of classes, they w ill be m ar ked absent and m issed w or k m ay pr event level pr om otion. In Academ i c En gl i sh , full-tim e students enr olled in the 18 hour study pr ogr am w ill be dism issed fr om the Academ ic English Pr ogr am im m ediately i f t h ey h ave 36 h ou r s of absen ces. For students w ho elect to take AE Extended Lear ning Wor kshops, w e w ill allow an additional 4 hour s of absences (for a total of 40 hour s) since w or kshop attendance is r equir ed once you sign up. Ther e ar e dedicated attendance com puter s in the INTO USF Com puter Lab ar ea in the BSN building and in the FAO Lobby. You need to know your USF ID num ber to get access to your attendance hour s.

cl ear ance At INTO USF, ther e ar e cer tain things you m ust do in or der to attend class. You m ust pay for your classes. You m ust also have all of the pr oper im m igr ation docum ents, and you m ust get your im m unizations and health insur ance. All students m ust take car e of things befor e the fir st day of classes. The pr ogr am has the r ight to w ithhold m idter m and/or final gr ade r epor ts if the clear ance r equir em ents ar e not m et. If you don't do this, you w ill be given a one-w eek w ar ning and then you w ill be dism issed fr om our pr ogr am . At that point, you have to either tr ansfer to another pr ogr am or you w ill be ter m inated in SEVIS and have 15 days to leave the United States.

il l ness If you or som eone in your im m ediate fam ily have been hospitalized or m issed four or m or e days of classes due to m edical r easons, w e m ay be able to excuse your m edical leave if a doctor ?s note is pr ovided. Please br ing a signed doctor ?s note that lists the dates you w er e not able to attend classes due to your illness. INTO Im m igr ation w ill be notified. Contact an Academ ic Advisor to get a per m ission to continue your studies if you have a m edical absence of m or e than one w eek . Absences due to m edical r easons less than four days ar e par t of hour s that you ar e allow ed to m iss in accor dance w ith the ELP pr ogr am attendance policy. It is possible to r equest to m ake up your classw or k if you ar e absent for a m edical r eason for one w eek or less. M edical absences of m or e than one w eek m ay r esult in m issed cour sew or k and possibly the need to r epeat a level. How ever , the ability to m ake up w or k is the decision of each instr uctor. Please r eview your instr uctor 's class policies on m ake-up w or k published on your cour se CANVAS site.

ar r iv ing t o cl ass on t ime Students ar e consider ed ?late? if they ar r ive to class less than 10 m inutes after the class begins. If a student ar r ives or r etur ns fr om br eak to a class 10 m inutes or less late, the student is m ar ked ?tar dy? (=late). A total of 4 tar dies counts as one hour 's absence. If a student ar r ives, r etur ns fr om br eak to a class, or leaves a class m or e than 10 m inutes ? the student is m ar ked absent for 1 hour.

cl ass par t icipat ion To fur ther develop language skills and r eceive feedback on the language use, students ar e expected to par ticipate in class. Your teacher w ill infor m you about their par ticipation expectations. Failur e to m eet your teacher ?s r equir em ents m ay r esult in the follow ing: -

You m ay r eceive a ver bal w ar ning. You m ay be r equir ed to attend an advising session befor e being allow ed in class. You m ay be asked to leave the class and w ill be m ar ked absent. You m ay lose points for in-class activities that r equir e your par ticipation. If you per sistently r efuse to par ticipate, your behavior m ay be consider ed disr uptive, w hich is the subject of the Disr uption of Academ ic Pr ocess r egulations.

r el igious hol idays The Univer sity has an official Attendance Policy for the Obser vance of Religious Days (Un i ver si t y pol i cy 10-045) w hich pr ovides that all students, faculty, and staff at the Univer sity have a r ight to expect that the Univer sity w ill r easonably accom m odate their r eligious obser vances, pr actices, and beliefs. annual vacat ion/ summer br eak F1-visa students m ust study full tim e dur ing fall and spr ing sem ester s. In sum m er sem ester , English Language Pr ogr am students ar e allow ed to take an annual vacation. Dur ing an annual vacation, full-tim e students on an F-1 visa can choose to take the sem ester off or study par t tim e. Annual vacation is only per m itted for students planning to attend an INTO USF pr ogr am full tim e in the follow ing fall sem ester.

cl ass assignment s After w e assign you to a class, w e do not per m it you to change fr om one section to another. For exam ple, you m ay not m ove fr om 2A to 2B. We do this because w e tr y har d to balance the num ber of students in each class. In your classes you w ill find that students have differ ent str engths and w eaknesses. Som e students speak ver y w ell, but m ay have difficulty r eading and w r iting. Other students know a lot of gr am m ar , but m ay have difficulty listening and speaking. Your gener al know ledge of English, how ever , is sim ilar and by w or king together you w ill help each other gain a m or e balanced set of English skills. In Academ ic English, w e m ake an effor t to give r epeating students differ ent teacher s. We tr y to 9 place r epeating students w ith teacher s that they did not have in the pr evious sem ester.


aepr omot ion AE Level Pr om ot i on Requ i r em en t s AE students need to dem onstr ate successful achievem ent of the students lear ning outcom es in their cur r ent level of AE befor e they can be pr om oted to the next level. Cour se gr ades w ill r eflect a student?s achievem ent of the lear ning outcom es. To be pr om oted to the next level at the end of a sem ester , a student m ust m eet the follow ing r equir em ents: -

Achieve a final gr ade aver age of 73% or higher. Ear n final cour se gr ades w hich ar e ?D? or higher. (No ?F? gr ades).

Students w ho m eet these r equir em ents w ill be pr om oted to the next level as long as their attendance r ecor d has not exceeded the lim it.

r epeat ing a l ev el A student m ay be asked to r epeat a level if: -

They do not have a final gr ade aver age of 73% or higher. They have a final gr ade aver age of 73% or higher , but they have one or m or e ?F? gr ades on their final gr ade r epor t. In this case, the student?s academ ic r ecor d w ill be r eview ed to deter m ine if a level pr om otion is possible.

W hen a student r epeats a level, they ar e placed on ?a ca demic pr obation? dur ing the second sem ester at the sam e level. A student can r epeat a level one tim e.

appeal ing a pr omot ion decision Students w ho feel that an er r or has been m ade in their pr om otion decision can com e to the office and m eet w ith our Academ ic Advisor. Please under stand, these appointm ents ar e for possible er r or s. If you sim ply do not agr ee w ith a pr om otion decision, that is not r eason enough to appeal it.

pr ogr amcompl et ion Com pletion of the Academ ic English pr ogr am is achieved by com pleting a full-tim e sem ester of level 6 classes w ith the follow ing: -

r et ur ning af t er dismissal If you ar e dism issed fr om a pr ogr am for the follow ing r easons - attendance pr obation violation, academ ic pr obation violation or behavior issues - you m ay be r eadm itted if you successfully com plete thr ee m onths at another English language pr ogr am in the United States. Dur ing this tim e, your gr ades and attendance m ust be excellent, and our academ ic team w ill decide each case for r eadm ission individually. Fur ther m or e, if you ar e r eadm itted, you w ill begin on academ ic or attendance pr obation, or both.

ELPPol icy f or academic int egr it y viol at ions At a univer sity in the United States, if students do not follow pr inciples of academ ic integr ity, their w or k m ay not be accepted or gr aded. The ELP has a policy w hich outlines the r ules students m ust be aw ar e of for under standing academ ic integr ity as pr acticed at the ELP and USF. All students in the ELP m ust under stand this policy and ar e accountable for their actions. The decisions m ade accor ding to this policy ar e final and ar e m ade in consultation w ith the student. If a student disagr ees w ith a decision, they can file an Academ i c I n t egr i t y Appeal if they feel that the Academ ic Integr ity policy violation has no factual basis or ther e is a violation of a Univer sity Regulation or Policy. Students m ust be able to give the nam e/num ber of the USF policy that is br oken. The link to the ELP Policy can be found her e. 11

If an Academ ic English student does not pass their classes w ith a 73% gr ade aver age and/or has one or m or e "F" gr ades on their final gr ade r epor t at the end of a sem ester , they w ill be placed on academ ic pr obation for the next sem ester. A student on academ ic pr obation m ust ear n m idter m cour se gr ades w hich ar e "D" or higher (No "F" gr ades). By the end of the second sem ester a student w ho is r epeating a level needs to m eet the r equir em ents to be pr om oted to the next level: Achieve a final gr ade aver age of 73% or higher. At the discr etion of the ELP adm inistr ation, students w ho finish a sem ester w ith passing gr ades but w ho have gone a couple of hour s over the attendance lim it m ay be allow ed to continue in the pr ogr am . Students in this situation w ill be placed on attendance pr obation. They w ill have to sign a contr act pr om ising to m eet cer tain conditions and attend scheduled m eetings w ith our Academ ic Advisor. Students w ho do not sign this contr act or w ho violate the conditions of the contr act w ill be dism issed im m ediately. If at any tim e dur ing the sem ester a student does not follow the USF student code of conduct or ELP pr ogr am policies as stated in this handbook, they m ay be placed on policy violation pr obation. This could include acts of academ ic disr uption, har assm ent, violence, vandalism , or any other policy violation. Students placed on policy violation pr obation w ill r eceive a for m al letter fr om the ELP notifying them of the policy violation. They w ill also be r equir ed to m eet w ith our Academ ic Advisor to discuss the violation and m ake an action plan to r em edy the situation. If the action plan is not follow ed, or if any other policy violation occur s, the student w ill be dism issed fr om the pr ogr am im m ediately. Once a student is placed on policy violation pr obation, they r em ain on that pr obation for their entir e tim e at INTO USF. If a student ar e asked to w ithdr aw fr om the Academ ic English pr ogr am for any r eason, they w ill have to leave the US or tr ansfer to another school.

facult y diver sit y In the ELP, all of your teacher s ar e pr ofessionals in the field of English as a Second Language. Ever y instr uctor has a m inim um of an M .A. in Applied Linguistics or a r elated field. Som e have doctor ate level degr ees. M any of your teacher s w er e bor n outside of the United States and lear ned English as a second (thir d, or four th) language. We ar e pr oud of our diver se faculty w ho br ing to the classr oom their exper iences living and w or king abr oad and of adapting to living in the United States. They have fir sthand exper ience of how English is lear ned just as our dom estic teacher s have exper ience of lear ning other languages. As such, all of our dom estic and our inter national teacher s under stand the difficulties of lear ning languages and can ser ve as excellent m odels for your ow n language developm ent. As English has becom e a global language that is used by m any people ar ound the w or ld, it is im por tant for you to becom e used to differ ent accents and per haps differ ent dialects. Br itish English is differ ent fr om Am er ican English, and in the sam e w ay the English used by Russian speaker s is differ ent fr om the English used by Chinese speaker s. For you, it is im por tant that you can under stand the English that you w ill hear ar ound you w her ever you go in the w or ld, and that you can com m unicate clear ly and appr opr iately in English in ever y context. The ELP faculty, both inter national and dom estic, offer you excellent oppor tunities to pr epar e for this.

aegr ading At the beginning of the sem ester , each teacher w ill give you a cour se syl l abu s w hich w ill explain the cour se and the gr ading system for that cour se. In each class you w ill r eceive gr ades for class w or k . In addition, each INTO USF class m ay have m idter m and/or exam s as w ell as m ajor pr ojects. Thr oughout the sem ester , you w ill r eceive feedback on your pr ogr ess and assessm ent thr ough quizzes, tests, hom ew or k, and other assignm ents. In addition, you w ill r eceive a M idter m Gr ade Repor t for the fir st half of the sem ester in the Academ ic English Pr ogr am . This r epor t w ill indicate your cur r ent class gr ade aver age and w ill include teacher com m ents. At the end of sem ester , you w ill be sent a Final Gr ade Repor t to your USF em ail. If at any tim e dur ing the sem ester you ar e not sur e of your gr ade aver age in a class, please talk to the teacher. The teacher w ill be able to tell you about your gr ades and give you som e ideas about im pr oving your aver age. Your teacher s w ant you to be successful, and they expect that you w ill w or k har d in or der to succeed.

Students m ust pass all cour ses w ith an aver age gr ade of 73% (C gr ade) or higher to be pr om oted to the next level. The gr ade aver age factor in class hour s, so 5 hour classes count slightly m or e than 4 hour classes. A (100-90%) The student?s per for m ance consistently exceeds the level r equir ed to m eet cour se objectives. Class w or k alw ays exceeds acceptable standar ds. The student is definitely r eady to advance to the next level. B (89-80%) Student per for m ance is consistently at the level r equir ed to m eet cour se objectives. Class w or k often exceeds acceptable standar ds. The student is likely r eady to advance to the next level. C (79-70%) Student per for m ance is at the m inim um level r equir ed to m eet the cour se objectives. Class w or k r ar ely exceeds the m inim um acceptable standar ds. The student m ay or m ay not be r eady to advance to the next level. D (69%-60%) Student per for m ance falls below the m inim um r equir em ents to m eet the cour se objectives. Class w or k is consistently below acceptable standar ds. The student is likely not r eady to advance to the next level. F (bel ow 60%) Student per for m ance falls below the m inim um r equir em ents to m eet the cour se objectives. Class w or k is consistently below acceptable standar ds. The student is not r eady to advance to the next level. 14


cer t if icat es, gr ade r epor t s, and Let t er s of Enr ol l ment At the end of ever y sem ester , all students r eceive a cer tification of level com pletion (any level, if applicable), a gr ade r epor t and a letter of enr ollm ent for that sem ester. At the beginning of the cur r ent sem ester , end of Week 2, all students r eceive a cur r ent enr ollm ent letter. These ar e em ailed once only to students' m ail.usf.edu em ail addr esses. Students w ishing to r eceive a tr anscr ipt (w ith details of all sessions attended, gr ades, and attendance) should em ail their nam e and U num ber to el padv i sor @u sf .edu and ask for a tr anscr ipt. After a new sem ester star ts w e do not em ail out again gr ade r epor ts/letter s/cer tificates fr om the pr ior sem ester s. Students ar e instr ucted to check their em ails for these docum ents. In the event that you have a USF / INTO USF hold, we may withhold your grades until you resolve this issue.

gr adegr ievances If you think ther e is an er r or w ith your gr ade, talk to your instr uctor and he or she w ill explain it. You m ay file a gr ievance (com plaint) about the assigned gr ade on l y in the follow ing thr ee situations: (1) the instr uctor has violated published USF policies and pr ocedur es; (2) your gr ade w as based on som ething other than the w or k you did in the cour se; (3) the assignm ent w as gr aded in a w ay that did not follow the cr iter ia descr ibed in class m ater ials. Pl ease n ot e: You cannot file a gr ievance sim ply because you feel that a teacher is too str ict. To file a gr ievance, the fir st step is to show your instr uctor evidence to suppor t your case. If it is not r esolved, then you should em ail the ELP Dir ector.
