Dear Volunteers, As we head into the 2018 – 2019 Girl Scout Year we can’t thank you, our Girl Scout volunteers enough for your time, talents and true dedication that you put into this organization. This year brings some new updates and changes to our organization. We are in our first full year of use for our new software system CouncilAlignMENT, a single source, single entry system that has been designed by this Girl Scout Council to fulfill the needs of volunteers, parents, and staff who want to better serve Girl Scouts in our community. This software program speaks the Girl Scout language and we believe will provide you with a meaningful experience. Features include Troop Meeting calendars, Outdoor Adventure requests, and the ability to manage everything on one website instead of many. We also continue to offer new programming in the areas of STEAM, Outdoors, Life Skills and entrepreneurship. While continuing to explore partnerships exclusive to our area like games with the Nashville Soccer Club. We are highlighting important National events in a friendly manner with programs like “Election Day the Equine Way”. Our council is proud to offer activities and events that support the troop programs with travel, journey and badge based programming. I’m excited to work with you as we continue to promote the significant impact of Girl Scout membership, is that girls can do anything — both locally and nationally. With the advent of a girl’s ability to independently conduct community service projects and the advent of services and agencies to serve the interests of girls, there is a great deal of competition to get a girl’s attention. What’s wonderful about the Girl Scouts is that we are broad enough that we can meet a girl’s interests and have an established organizational brand to help her achieve her goals.

GIRL SCOUTS OF MIDDLE TENNESSEE PROGRAM GOALS As we begin this year’s Girl Scout adventure, we want to share with you our program focus goals. The program department has four main focus areas: STEAM, Outdoors, Life Skills and Entrepreneurship. STEAM (Science, Technology, Engineering, Arts and Math): Our main program offerings in STEAM are covered by Girl Innovator programs with additional programming throughout the year that encourages girls to explore the concepts of STEAM in fun and engaging ways. Outdoors: With a focus on recreation, camping, exposure to nature, outdoor sports, outdoor leadership, summer camp and equestrian experiences, Girl Scouts connect with nature and learn ethics of care as environmental stewards. Many of these programs are offered on our camp properties and there are more opportunities to experience the outdoors in programs near you.

The Cabin at Girl Scouts of Middle Tennessee is a one-stop location for your volunteer and troop needs. In addition to a full line of uniform and troop items, we carry many gift giving and volunteer based products. While in the Cabin, you can reserve packaged programs, schedule a training, pay for programs and property reservations and purchase your troop badges. Our staff is knowledgeable and is here to make your Girl Scout experience seamless and enjoyable. While you are in the Cabin check out our Council’s Own patches. These patches are only found at Girl Scouts of Middle Tennessee and can enhance your troop experience. Guidelines for these patches can be found on our website at gsmidtn.org/councils-own-resources. Additionally, you can schedule one-on-one help sessions with Sue Tims, Director of Customer Enrichment/Engagement. They can be done in person or by phone. Program Registration Information Explore the many adventures Girl Scouts of Middle Tennessee has to offer! Council Sponsored Programs are planned and facilitated by your Girl Scouts of Middle Tennessee program team specifically for members of Girls Scouts. Tag-alongs (non-members) are invited to some programs, but other arrangements should be made during most Council Sponsored Programs. Programs are scheduled on a particular date and for specific grade levels. Unless otherwise stated registration is taken through CouncilAlignMENT at
gsmidtn.org/councilalignment
This year we have two new icons for our programs! When you see it’s a Girl Scout Friends and Family Event, everyone register! When you see it means Adult Ratios, we may limit adult participation to only those needed for Safety Activity Checkpoints. You will need to login or create an account in CouncilAlignMENT to view all activities offered through Girl Scouts of Middle Tennessee. By creating an account, you are not required to register as a Girl Scout. CouncilAlignMENT is for troop leaders, parents, volunteers and Girl Scout Cadettes, Seniors and Ambassadors (with parent permission).

Cancellations
Select Contact Preference: In CouncilAlignMENT you must pick how you would like to receive billing and registration information. Please select one or all of the following:
Events run rain or shine. The program managers for each program will contact you if a program is postponed, rescheduled or cancelled due to inclement weather. Please use your best judgment when traveling with girls. Traveling in extreme weather is not advised.
Email: You will receive an email communication including activity status, payment status and information packet. This email is sent to the chosen responsible troop leader or adult. Message Notification: You will receive reminders of activity and payment status. This contact preference is viewed on your homepage in CouncilAlignMENT under the “Messages” bar. Voice/Text: You will receive reminders from CouncilAlignMENT of activity and payment status through your phone. You will be directed to your Email for additional information. For clarification concerning any program, please reach out to the program manager listed under each description or to our council registrar listed below. Cancellations for events must be received or processed three weeks prior to the event for a refund. You may cancel or change your registration in CouncilAlignMENT or with the program manager in charge of the program in writing (mail or email) three weeks before an event. Payment is expected unless you cancel. Unpaid registrations do not count as notice of cancellation and full payment is expected. If GSMIDTN cancels the event for any reason, a refund will be issued based on program expenses.
Refunds Refund requests can be sent via mail or email to ProgramDept@gsmidtn.org. Refunds are not issued for individuals or troops who choose not to attend a program. Full payment is required unless written cancellation is received three weeks prior to an event. Refunds for unexpected sickness or family emergencies will be considered upon request. For illness a doctors note is required. A program that has specified “no refunds” will not grant refund requests for any reason.
How can I find what activities and programs are available? STEP 1: Decide on a program that inspires you! STEP 2: Register for the program PROGRAM REGISTRATION Log into CouncilAlignMENT by visiting

After you have clicked on your program, you will choose register ‘girl(s)’ or ‘troop.’

If you are registering several girls from a troop, choose ‘troop.’
From the CouncilAlignMENT homepage, click on “View Calendar” in the “Available Activities” bar.
The next screen asks for specific information about those who will be attending, including both girl(s) and adult(s). At this time you may only add registered girls.
Events for your troop or child’s program level will appear on the calendar in different colors. View the key at the top left of the calendar for color explanation.
For programs which indicate friends and family, please contact the responsible program manager for registration of additional family members.
If you are registering your girl(s) as an individual participant(s) select ‘girl(s)’.
Please set NoReply@councilalignment.com as a “safe sender” to avoid accidental delivery to junk or spam folders. To see the status of the activity, please refer to the color key at the top of the calendar page. Registration for each program closes three weeks prior to an event. Please note, popular programs tend to fill prior to the three week registration deadline. Unless otherwise stated, Council Sponsored Programs do not provide food and require adults to attend with Girl Scouts. Council Sponsored Programs are designed for the girl and grade level indicated. Please make other arrangements for “tag-alongs.”
STEP 3: Payment Once you have registered and the program has met its minimum, CouncilAlignMENT will send you an invoice via email and populate in your online shopping cart. All balances are due 15 days prior to the activity. Unpaid balances must be resolved before you are allowed to register for another activity.
STEP 4: Before Your Program Communications will go out at least one week prior to the event with all information you will need. Confirmation letters include: directions, packing list, overview of the event, forms to complete and more. If your troop’s registration was received after the event was filled, you will be placed on a waiting list and will receive notification if space becomes available.

AQUA NIGHT LOCK-IN
Spend an afternoon with your friends learning about the brain and its influence on your thoughts, feelings and behaviors. During this program you will learn all about the different parts of the brain, make a neuron out of beads and play games. This program includes a fun patch.
Spend all night at the Springfield YMCA. You’ll have fun with your friends in this water-themed extravaganza including swimming, games, crafts and movies. Snack, breakfast and fun patch included.

Join us for a day of hands on activities. We’ll learn some basic woodworking skills, plus make a unique piece of art, after we learn how to patch a piece of drywall. Juniors and Cadettes will get to create their own lamp, while Seniors and Ambassadors will learn some car care tips and tricks.
Take a trolley ride on the Polar Express in your favorite PJs to the North Pole! Visit Santa’s Workshop and build a toy to take home. Visit with Saint Nick and enjoy holiday treats by the fire. We will hold a warm clothing drive to benefit those in need. If you feel inclined, please bring socks, mittens, gloves, hats or scarves to donate. PONIES AND PALS Each participant brings mom, dad or an adult friend to spend time with the horses at Camp Sycamore Hills. Meet horses in the barn, groom ponies and try a leadline ride with your favorite adult leading your horse in the arena. This program is especially for Daisy and Brownie Girl Scouts. Non-Girl Scouts and older girls are welcome, too! Please register for the date and time you would like to attend.
STATEWIDE CAMPOREE Save the date and join the celebration with Girl Scouts around Tennessee! We’re inviting Girl Scouts from all over Tennessee to join us at Camp Sycamore Hills and celebrate the traditions of Girl Scouts. STEP 1: Decide on the training you want to attend STEP 2: Register for the Training 1. Log into CouncilAlignMENT 2. Select “View Calendar” under the “Available Activities” Bar. Navigate the calendar to the desired month and click on the training event. You will then be able to register.
STEP 3: Payment Once you have registered and the training has met its minimum, CouncilAlignMENT will populate an item in your cart. All fees are due once the minimum has been met. You can pay via credit card online or mail in a check. Make checks payable to Girl Scouts of Middle Tennessee and write the date and name of the training you will be attending in the memo line. These courses are designed to help girls, leaders/advisors and parents in earning Girl Scouts’ Highest Awards. It will include more clarification on a Take Action Project and the requirements for the awards as well as the processes for earning them in Middle Tennessee. Workshop participants will learn more on how to use their leadership skills in order to have sustainable and measurable projects that meet a need in their community.

VAQUERAS
VOLUNTEER IN TRAINING
Spread the joy of horseback riding with others. Vaqueras are trained to prepare horses and assist participants in the various horse programs offered at Camp Sycamore Hills. Vaqueras will also participate in a riding lesson on days they volunteer after training. Girls must be at least 12 years of age and in the seventh grade at the time of training. Adult volunteers are welcome too!

Troop and Service Unit Property Reservations Now that you know more about Girl Scouts of Middle Tennessee’s wonderful properties available for your camping and adventuring enjoyment. How do you reserve a day use space, cabin or platform tent unit? TROOP CAMPING Troops travel to Camp Holloway, Camp Piedmont and Camp Sycamore Hills to experience outdoor cooking, Outdoor Adventure, Camptivities, horses, Girl Innovator programs and the beautiful nature of the properties we own. Your troop will need to complete required online trainings*,Camping Skills 1 and First Aid/CPR to reserve a cabin or lodge. In addition, Camping Skills 2 is required to reserve a platform tent, screened-cabin or to pitch a tent at one of our properties. Troop camping is a wonderful experience and a great way to introduce your Girl Scouts to the many offerings available to her! Generally, the third weekend of each month is reserved for troop camping and can be requested 90 days out. Troops may also request other open dates on CouncilAlignMENT. You may reserve up to two units at a time for your reservation. Reservations are limited to one active and open reservation at a time. For example, if you reserve a unit in October, you may not reserve another unit until you have completed the final attendance or cancelled the October reservation.
SERVICE UNIT CAMPOREES AND SERVICE UNIT EVENTS The first weekend of every month is reserved for Service Unit Camporees. A Camporee is a weekend event where new and seasoned troops can enjoy Troop Camping with other troops in their Service Unit and enjoy some troop time and activities with everyone in the Service Unit. You may reserve other open weekends for Camporees or Service Unit Events through CouncilAlignMENT. Service Unit Events are an opportunity for the Service Unit to get together for an event like Cookie Rally. The fourth and fifth weekends of the months are available on a first-come first-served basis. You may reserve units 180 days before your desired camporee date. However, you may only hold one reservation at a time. For example, if your service unit reserves a camporee in May, your service unit may not reserve another property or date unless you have cancelled the May reservation or turned in your final attendance after the May Service Unit Camporee. When cooking for Service Unit Camporees or events, you need to reserve the commercial kitchen. The kitchens in each unit are designed to cook for the maximum capacity for each specific cabin. The Service Unit or event will be assessed the full fee of the industrial kitchen if you cook for the more than the capacity of the unit.
To be considered a Service Unit Camporee or Event you must meet the girl minimum below: Camp Holloway – 45 participants Camp Piedmont – 40 participants Camp Sycamore Hills – 100 participants If your Service Unit Camporee/Event does not meet the above minimums you will need to submit your reservation as a troop camping reservation.
DAY USE: Day Use is for those of you who want to enjoy a picnic at one of our properties or come out for the day and have your troop participate in one of our great activities! Required trainings for day use reservation are the online trainings* and First Aid CPR. How to register: STEP 1: Read over the NEW How to Make a Property Reservation document for a complete overview of the new CouncilAlignMENT property reservation process. Determine if your reservation will qualify as Troop Camping, Service Unit Camporee or Service Unit Event.
STEP 2: Check Your Dates Decide on a date and check under the CouncilAlignMENT, property tab, for availability.
STEP 3: Request your unit(s) and complete the attendance including the following: girls and adults attending, adults with proper training and activities you are requesting. All participants must complete the Property Liability Waiver prior to attending camp. The responsible adult making the reservation and the trained adults must have their trains up to date, and the Property Liability Waiver signed prior to the reservation.
STEP 4: Payment To complete your reservation, you will need to pay the deposit through CouncilAlignMENT. If you do not pay your deposit at the time of registration, your reservation is not complete. All Troop Camping final payments including activity fees are due no later than 30 days prior to your reservation date. Service Unit final payments including activity fees are due no later than 60 days prior to your reservation date. Failure to pay by this date will result in your reservation being removed. How to reserve activities at property Your property reservation is made! Our camps have so much more to offer! Experience the outdoors through these adventurous programs. Programs are led by Girl Scouts of Middle Tennessee Facilitators. Registration requests are accepted through CouncilAlignMENT. You will be held responsible for paying for the minimum ratio for each activity you request.
STEP 1: Scheduling your activities Once the activity request has been received through CouncilAlignMENT, you’ll hear from the outdoor team in the form of a confirmation email. Activity requests are at a first come first serve basis. We recommend planning no more than three activities during a stay. For troop camping confirmed activity numbers are due to the outdoor adventure team no later than 45 days out, and 90 days out for Service Unit Events. In the event we are unable to honor your request, we will submit a refund for your activities. It is your responsibility to cancel your property reservation 30 days prior to your visit for troop camping and 60 days for a service unit to obtain your refund for properties.
STEP 2: Payment All activity fees will populate in your CouncilAlignMENT cart and payment is due no later than 30 days prior to your program date for Troop Camping and 60 days prior to your Camporee or event for Service Units. You will be held responsible for paying for the minimum ratio for each activity you request. If paying by check please make checks payable to Girl Scouts of Middle Tennessee, and write the date of your reservation and name of the camp you will be attending in the memo line. Payment does not guarantee that your request will be filled. If we are unable to honor your request, we will submit a refund for your activities.
CANCELLATION POLICY: Cancellations are made through CouncilAlignMENT in the Property Reservation section. Cancellations must be made 30 days out for troop camping or 60 days out for Service Unit reservations. Any cancellations not made in advance will forfeit the total cost for the property and activity reservation.
FORMS: All attendees who will be on a Girl Scout of Middle Tennessee property must have the Property and Liability Waiver Form completed. This is found in the Profile section of CouncilAlignMENT. A parent or guardian is able to go in and accept the waiver for all children associated with them in CouncilAlignMENT. Those participating (including adults) in Outdoor Adventure or Horse Programs must bring a copy of the Outdoor Adventure Health/Permission Form signed by their parent or guardian on the day of their event. If a participant arrives without a completed form, she will not be allowed to participate. Those participating in Camptivities or Girl Innovators only need the standard permission form for activities. Leaders must notify facilitators of any health concerns or conditions. Troops/groups are responsible for providing their own first-aider and first aid kit. Troops/groups should also read the Outdoor Program: Be Prepared document included in the invoice/confirmation.
SPECIAL ACCOMMODATIONS: Please let us know if you have a girl with special needs. We make every effort to include all girls in our programs, but we must know ahead of time about any disabilities or special needs in order to staff our areas appropriately.
REFUND POLICY: Any changes to your requested activities, including participant numbers must be made 60 days prior to the date of your troop camping program, and 90 days for your Service Unit program. Changes must be made in writing and can be sent to JBurgett@ gsmidtn.org. Otherwise, you are responsible for paying for the number of your original request. Program fees will be fully refunded in the event the Outdoor Adventure Team cancels activities due to inclement weather. There are no refunds if the program still runs and you choose not to participate. Horse programs run rain or shine.

HIGH CHALLENGE 1 AND 2
This is a wonderful introductory activity to high challenge elements that involves participation of the entire group. The “flyer” begins on the ground and controls the height and speed as her team lifts her into the air.
The high challenge course consists of obstacles 30 feet in the air. Participants experience three elements that promote trust, improve communication skills and reinforce self-confidence. Girls enjoy a sense of accomplishment as they scale to new heights.

Take a step off the wild side as you explore new heights. Rappel down a rope using friction to safely control your rate of descent. Sites include a rock face at Camp Sycamore Hills and a tower at Camp Holloway with 20, 30 and 40 foot options.
Team Adventure consists of a series of low outdoor elements designed to develop team building, problem solving, cooperation, creativity and communication skills. Troops work in a team to accomplish and solve a problem that is given by the facilitator at each element.

TREE CLIMBING Get a bird’s eye view of camp by ascending into the canopy of our climbing tree. This self-belay system allows participants a safe and fun way to reach the highest branches. Ropes, harnesses and helmets are used. You may have noticed some travel options on the previous pages. See below for how to make requests for us to come to you, or run an activity at the Nashville Service Center. STEP 1 – Book your meeting space, at the location where you want us to travel. REFUND POLICY Any changes to your requested program numbers must be made 45 days prior to the date of your program. Otherwise, you are responsible for paying for the number on your request form. Changes must be in writing (mail, email, or fax) 45 days prior to the program. Program fees will be fully refunded in the event of cancellation by the team.
CANCELLATION POLICY All cancellations are due 30 days prior to the program. Cancellations received after 30 days will not be issued a refund.
FORMS Those participating (including adults) in outdoor adventure must bring a copy of the Outdoor Adventure Health/Permission Form signed by their parent or guardian on the day of their event. If a participant arrives without a completed form, she will not be allowed to participate. Those participating in Camptivities or Girl Innovators only need the standard permission form for activities.
All program fees are due with your request form. Please make checks payable to Girl Scouts of Middle Tennessee and write the program date on the memo line of the check.
Leaders must notify facilitators of any health concerns or conditions. Troops/groups are responsible for providing their own first-aider and first aid kit.
Program fees are non-refundable 30 days prior to the date of your program.
Troops/groups should also read the Outdoor Program: Be Prepared document included in the invoice/confirmation.
The minimum and maximum number of participants listed in the program description always apply. If your group is larger than the maximum per program, the group may be split into two or more sessions. If your group is smaller, you can pay for the minimum to run the program.

STEP 1: Decide on the training you want to attend
Have you ever wanted to participate in the adventure programming that your girls enjoy? Now is your chance to play! This weekend is an opportunity to try outdoor adventure, girl innovator, horses and camptivities programs at Camp Sycamore Hills. Participate in an adventurous camporee planned just for you. Be on the lookout for details!
STEP 2: Register for the Training 1. Log into CouncilAlignMENT 2. Select “View Calendar” under the “Available Activities” Bar. Navigate the calendar to the desired month click on the training event. You will then be able to register. 3. When registration is complete, you’ll receive a confirmation. This does not place you into the training/event. This verifies receipt of registration only. STEP 3: Payment Once you have registered and the training has met its minimum, CouncilAlignMENT will populate an item in your cart. All training fees are due three weeks prior to training. This class prepares leaders to camp with her girls and take her troop for a day in the outdoors, or an overnight in a building with a fully equipped kitchen, stove, refrigerator, electricity and running water. Participants have a hands-on opportunity to learn knife safety, beginning cooking and fire building. It is designed to be taken after completing three online courses (Camp Information and Procedures, Camp Prep and Camp Ready). After completing this course you will be able to camp in any Girl Scouts of Middle Tennessee fully equipped cabins or like units.
This optional overnight class prepares leaders to camp with girls in a primitive setting. In this class you will learn and practice skills while primitive camping. Primitive camping is camping in a remote location or a site where you provide everything for yourself. Sites may be without electricity, running water, bathroom facilities and often time cell service. Camping Skills 1 and 2 must be completed before taking this course. After completion of this course, you would be able to tent camp in remote areas without amenities as well as any Girl Scouts of Middle Tennessee cabins or tent units.

Packaged Programs Volunteer Resources A packaged program is a tub or kit containing almost everything a leader needs in preparation for girls working on a badge or patch – instructions for games, craft projects, learning activities, simulations and other program materials. All resource items are located at the Nashville Service Center. Items available for check-out include, but are not limited to, compasses, flags, parade and indoor flagpoles and stands, ceremony logs, silk screens, portable bridge, resource books, song tapes, CDs, DVDs and more. Available camping equipment includes two and four person tents, propane stoves, cast iron cookware and more. Requests must be received two weeks prior to pick-up date. All reserved items require a $25 deposit, which is fully refundable if things are returned on time and in good condition.

CouncilAlignment frequently asked questions “I cannot find my login and password for CouncilAlignMENT OR I am having trouble logging into my profile.” • Check your spam folder for an email with your assigned username and password from noreply@CouncilAlignMENT.com • If you cannot find this email: 1. Go to gsmidtn.org/councilalignment
“When I log in, I can only see the “HOME” tab and everything else is blank.” 1. If they are using a Chrome browser, follow directions below to “clear the cache.” 2. Right click on the webpage and choose the “Inspect” button. 3. Then, find the “Refresh” button at the top left of screen, right-click and choose “Empty cache and hard reload.” 4. Log out and log back in.

10. Now you have your username and password and can log into CouncilAlignMENT. If you are still having difficulty logging into CouncilAlignMENT contact your Regional Executive
How can I change my username or password? For security reasons your username is different than your email, and is assigned by the system, it can not be changed. Once logged into CouncilAlignMENT, click on your username as the top right and change password at any time. You can also edit your email in the Profile tab. “I registered as a new user and received a message that Council needs to approve.” During the weekdays, you will receive an email within 24 hours from noreply@councilalignMENT.com confirming you have been approved and able to log in with your username and password.

i. If there is “No Background Check History”, visit https://app.verifiedvolunteers.com/Candidates/ Account/Register
ii. If it’s filled out check that it’s been in the past 3 years
4. In the event your forms are complete follow up with your Regional Executive and let them know you are a troop leader, and your troop number.

Girl Scouts of Middle Tennessee has participated with Fall Product and Girl Scout Cookie Programs to show their appreciation for men and women in uniform or to support those in need. Customers are given the opportunity to purchase candy and cookies to donate to our Gift of Caring project through HUGS for Our Soldiers. During our 2017-2018 Product Programs our Girl Scout Troops donated 2,982 Fall Product items to HUGS for Our Soldiers 50,592 packages of cookies to deployed service members 19,996 packages of cookies to other organizations
