ECC Tournament Booking Summary 

The Edmonton Country Club welcomes 18-hole tournament play on Mondays only. As a Private facility we are able to host a limited number events per year. Availability is determined by contacting the Head Professional.

8:30 am or 1:30 pm are the “shotgun” start times we are able to offer.

The Edmonton Country Club reserves the right to either accept or deny event re-booking for the following season.

A $1,000 (non-refundable) deposit is required to confirm and hold a tournament date.

Minimum # of tournament golfers is 120. Events with fewer than 120 players will be charged the 120 player minimum.

Edmonton Country Club Dress Code Policy Edmonton Country Club is a private golf club, and as such, all participants are required to abide by the Club’s dress code policy. Proper attire must be maintained at all times while at the Club including clubhouse, driving range and while on the golf course. Proper golf attire generally consists of clothing designed for golf and sold in the ECC ProShop. Tournaments Hosts are reminded that they are responsible for communicating dress code information to their participants. The Staff at the ECC have been given direction from the Board and Management to enforce the Dress Code at the Club. Guests not adhering to dress code will be asked to the leave the Club unless willing to change into suitable attire. Men Collared golf shirts, or dress mock shirts with tailored shorts or trousers. Golf shoes with soft spikes only. Running shoes are also acceptable if clean and in good repair. Women Tailored blouses or golf shirts (which require either a collar or sleeves) worn with tailored shorts or trousers. Shorts and skirts must fall between mid-thigh and the kneecap. Golf shoes with soft spikes only. Running shoes are also acceptable if clean and in good repair. Unacceptable attire includes: metal golf spikes, any denim fabric (blue or otherwise), caps worn sideways or backwards, apparel that leaves the mid-riff exposed and any clothing displaying large non-golf logos, oversize grunge clothing and sloppy t-shirts or sweatshirts.

Edmonton Country Club Cell Phone and Smoking Policy Cell phones may be discretely used in the Clubhouse, however they must be set with the ringer to off or vibrate. They may also be used on the course with the ringer set to off or vibrate, as long as pace of play is being maintained. The Edmonton Country Club is a smoke free facility. Smoking is not permitted in the clubhouse, including patios. Smoking is only permitted outside areas of the Clubhouse not with 15’ of any service location or entrance.

Inclement Weather Policy All tournaments will start at the scheduled time unless the course is closed or deemed unplayable by the Edmonton Country Club Course Superintendent. A delay will be the first option; an alternate date may be a second option. Cold weather, rain or wind are not acceptable reasons to cancel or reschedule a tournament. Play will be postponed or potentially cancelled in the event of dangerous weather systems (i.e. lightning, extreme high winds, etc.). ECC management will make the final determination on whether it is safe to continue or resume play.

Damages and Cart Operation Policy

The Tournament Host understands and accepts that their organization accepts sole responsibility for any damages to ECC property or grounds as a result of the event or actions by their participants. Golf Carts must remain on paths where provided or as instructed by staff and on-course signage. Golf carts are not permitted with 30 feet of greens and tee boxes and must be kept away from bunkers or other hazards. At the discretion of ECC management, any violation of cart operation policy may result in termination of playing privileges

Driving Range and practice facility privileges one (1) hour prior to tournament start

Additional on-course supplies (i.e. tables, chairs, BBQ’s, tents, umbrellas, etc.) may be subject to additional charges for rental and setup. Event organizer to provide Edmonton Country Club details of what is required a minimum of 1 month in advance of the event and a quote will be provided based on requirements.

Volunteer and Tournament Committee Coordination

Running your event for the first time? Need advice on the team (and job descriptions) of volunteers or committee members you may want to recruit? Please contact our Head Professional for more information.

It is the tournament organizer’s responsibility to provide volunteer and sponsor shuttle service and support to those who may need transportation back and forth from the clubhouse to the golf course. We can assist by reserving additional golf carts for this purpose and by providing course maps and directions to shuttle drivers. Additional Power Cart Rental (2 passenger) — $55.00

The scope and workload of corporate and charity events can vary greatly. Some tournaments have as few as 4-6 people, while some have required in excess of 40 volunteers to assist in the execution of a well run event. For tournaments with more than 10 (ten) volunteers it may be beneficial to provide an orientation session in advance of the event. The ECC will host an orientation (no room rental fee) and provide information and support during the orientation if requested.

Beverage Cart Rental The ECC does not own or use a beverage cart for regular daily play. If you would like to offer your participants a beverage cart (or carts), we will make arrangements for a rental unit (s) on your behalf. Beverage Cart Rental— $100.00 per

Tournament Formats Depending on the number of golfer and relative experience/skill level, there are several options for tournament play formats. Our Head Professional will be happy to provide input to help determine an appropriate format. Tee Box Guidelines We recommend play from our Blue tee markers (6311 yards) for men and our Green tee markers (5333 yards) for ladies. Tournaments may choose to provide their own (company or sponsor branded) tee markers which the ECC grounds staff will set out the day of your event. Hole Prize Competitions Many tournaments like to provide hole prize contests for both skilled and not so skilled (draw prizes) golfers. ECC staff will setup each hole as requested and collect the results which are provided to the host prior to awards presentation. The table below shows typical hole prizes and what holes they are best suited to. Competitions or draws can be tailored to certain groups (men, ladies, handicap groups, etc.) or left open to all players. Hole

Hole-in-One Contests All insurance policies have specific rules and conditions depending on the insured prize amount. If insurance rules require independent spotters it will be the responsibility of the tournament host to provide these volunteers. Regardless of the amount being insured, the ECC can arrange details of hole in one insurance at very competitive rates. Hole in One Guidelines The minimum yardage for prizes over $2,500 is 160 yards for men and 145 yards for ladies. All of our Par 3’s except the 4th (fourth) hole play in excess of these minimum yardages. The insured hole shall remain in its normal position with regard to tee box and green. If the prize is valued at $2,500 or less, the minimum yardages can be 150 for men and 135 for ladies Prize Value

It is the sole responsibility of the Tournament Host to coordinate and organize the requirements of each event sponsor and provide the information to ECC a minimum of 2 weeks in advance of the event date. Any sponsorship funds must be collected by the tournament host.

ProShop Spending Amount The $20 per player ProShop spending amount is available in the form of registration gifts for your participants, gift certificates, and/or merchandise sold in the ProShop . Ideas and samples for registration gifts and other prizes are available by consulting with the Head Professional. Special ordered products (apparel, golf balls, accessories) can be custom imprinted or embroidered with your logo as well as at volume pricing well below retail! *valid for ProShop gift certificates or merchandise only (not redeemable for green fees, power carts, lessons, food & beverage, etc.)

Practice Facilities Use of our driving range and other practice facilities are available at no additional charge for your participants to use on the day of your event.

Golf Club Rentals All golfers are required to have their own set of clubs. For 2016, we offer the latest Titleist rental sets at a price of $40 per set. Requests for club rentals must be confirmed to the Head Professional 1 week in advance of the tournament date. We have a total of 5 sets available, so please advise us well in advance if your tournament will require additional sets.

ECC Golf Professional’s On Course Pro’s drive - Golf Pro hits players tee shots for your event. For a scramble event, players are offered the option of using the Pro’s drive or the best drive of their team for the hole. Par 3 - Golf Pro is on the tee of a par 3 hole and hits shots for you players to use. Beat the Pro - and win a prize! This can be setup as a draw prize for all successful participants. Any damage to power carts, golf course or building as a result of the tournament will be the sole responsibility of the company or organization hosting the tournament

All food & beverage on Club property must be supplied by the Edmonton Country Club. Any on-course food and beverage sponsored holes must be approved by the ECC.

AGLC does not allow any donated or supplied liquor to be brought on to Club premises. Any alcohol donated or supplied for on-course consumption must be ordered and supplied by the Edmonton Country Club in accordance with liquor licensing regulations. All orders must be placed a minimum of 14 days before the event at wholesale cost plus 10% and gst.

Edmonton Country Club requires its staff to maintain AGLC laws and regulations as they pertain to alcohol service, hours of alcoholic beverage service and reserves the right to refuse the sale of alcoholic beverages to anyone.

Any volunteers participating in the service of alcoholic beverages at any alcohol hole must provide a valid copy of their ProServe certificate to ECC no later than one week prior to the event.

For those that wish to supply their own on-course food and non-alcoholic beverages, Edmonton Country Club requires an Indemnity Waiver to be signed by each supplier that will be distributing the product.

The number of locations of special on-course stations must be submitted along with the Indemnity and Hold Harmless Form to ECC for approval two weeks prior to tournament date. Edmonton Country Club facilitates setup of on course stations.

Leftover food and alcohol from the event is not permitted to be removed from the Edmonton Country Club in accordance with health and food safety regulations I have read and acknowledge each of the policies on this page. Our organization agrees to pay for any damages as a result of this event.
