appy New Year! I hope your 2016 is off to a great start and that you have embraced the New Year with increased energy and optimism about working smarter and reaching higher. We’ve been reflecting on what a special year 2015 was for the community, and I must stop one more time to acknowledge the incredible effort of 120+ community Members who planned and executed a record-breaking NAVUG™ Summit in October. Our speakers averaged 4.5 out of 5.0 on the session surveys, we inducted our new board of advisors chair, Dave Hatker, as well as three new board members, and we crowned our first three NAVUG All Star recipients – Mark Brummel, Amanda Mayer, and Kerry Rosvold. It was a very special and valuable event. If you were not able to make it, fear not – we are repeating some of the most popular sessions online right now. As we kick off 2016, I’m more excited than ever to be a Member of NAVUG – we have big plans this year, you betcha! We are commencing two new events: The NAVUG European Congress in Stuttgart in May, and the NAVUG Focus Conference in Chicago in June. These are additional opportunities to learn, share, and network with other community Members in-between Summits, because we know the power of getting together in person. Speaking of which, in 2015 we grew from about five local User groups to 25, and we are looking to nearly double that in 2016. And we are already working hard at improving how you find and use the content resources on our website and will be offering answers and solutions in an increased variety of ways. One important initiative that I am particularly excited about is our volunteer development and recognition. There are so many Members doing so many great things in our community; we want to go even further in acknowledging their efforts – stay tuned for details. In kicking off 2016, we thought it would be beneficial to help you get a good start at your organization as well – whether it be with your Microsoft Dynamics NAV system, your IT planning, your reporting, or your operational processes. Hence the theme of this issue and the variety of articles herein. As I said, I’m pretty excited about the upcoming year and hope you are, too. What does it mean to you to be named an All Star? Being considered an All Star is truly an honor. I participate and lead in the community because I’ve learned so much from others before me. I love the feeling of community Microsoft Dynamics NAV Users have, and it’s energizing to be involved with the fantastic group of people. Our jobs keep us busy and oftentimes can become a source of frustration, so it’s sometimes a brief escape to dip my toes in the NAVUG pool, and I’m almost always coming back with improvements for our own business at the same time. What was your greatest takeaway from NAVUG Summit 2015? NAVUG Summit is always a learning experience, even when leading a session. The amount of problem solving that happens between sessions is so amazing, it’s truly hard to quantify. The bond created over Microsoft Dynamics NAV seems to be one that people take home with them, strengthens over the year between conferences, and gives us all something to look forward to the next year. I know I do!

I’ve had so many wonderful people who have encouraged me to speak up, conduct webinars and NAVUG Summit sessions, teach Academy classes, get involved in blogging and social media, and act as a leader in this community. The only thanks I can give is to turn that gift back to the community and continue to encourage others to participate. We’ve all seen some really wonderful things happen as NAVUG has continued to grow, and that growth continues as more and more Customer and Partner volunteers invest their time and expertise in each other. I’m so thrilled to be a part of that. Receiving this award is just one more example of the amazing rewards anyone can receive when they freely give of their time and expertise in the NAVUG community. What was your greatest takeaway from NAVUG Summit 2015? My greatest takeaway from NAVUG Summit 2015 was the feeling of joy to see this community continue to flourish as a vibrant and energized group of people who are willing to invest their time in each other by sharing knowledge that will allow them to improve their businesses. This year, more than any other, I can really see that NAVUG Members are ready for change – whether that means moving to the cloud, upgrading to a new version, or integrating with other Microsoft products – all that change points back to using Microsoft Dynamics NAV and helping each other to do that in the best way possible.

NAVUG Summit “charges my batteries” to continue to work with Microsoft Dynamics NAV. The enthusiasm from the attendees is inspiring. The Great Lakes chapter is building momentum after kicking things off at the Rock and Roll Hall of Fame in Cleveland this past August. “We have 14 Members to date, and I feel that number will grow in 2016 with active outreach, word of mouth, and the great resources available to us on the NAVUG™ website,” says Anthony Darden, chapter leader and director of IT for Caplugs. “Onika Allen with NAVUG has been a tremendous help and makes it easy for all of us to stay connected and keep the content fresh and energizing for future meetings!” The group is working on their meeting plans for 2016, which will likely include a meeting at a fellow Member’s place of business. “We have a great mix of people, and even though we come from different industries and versions of Microsoft Dynamics NAV, we all experience similar challenges, and to talk through them amongst the group versus only your Partner can be really powerful,” says Anthony. “The more channels you have, the better decisions you can make. That’s the fun part of belonging to a chapter. There are so many ideas to explore to keep things engaging.”

The Chicago NAVUG chapter got its start at Microsoft Convergence after speaking to NAVUG leaders concerning the lack of a Chicago chapter. “In May 2015, we held a planning meeting at the Microsoft office in Downers Grove, Illinois where we elected a board of directors and started planning our discussion topics,” says Dennis Mahon, chapter leader and functional analyst for Gogo, LLC. “We held our first official meeting in July with more than 30 Members in attendance and an agenda that focused on best practices for upgrading your Microsoft Dynamics NAV system.” Even though Dennis was selected as the Up-and-Coming Leader for this issue, he was quick to share the spotlight with the colleagues who are helping to guide this new chapter. (Speaking of them…thank you to Robin Horstmann, co-chair; Margaret Williams, vice president of programming; and Dan Macek, vice president of membership!) “Collaboration with our board of directors and Members to plan meetings that deliver valuable information about how Microsoft Dynamics NAV is used to solve business issues has been a fantastic

experience,” says Dennis. “We invite Users from the Chicagoland area to join us in our endeavor to grow our chapter and keep Microsoft Dynamics NAV the number one ERP system in the world.” NAVUG

lpha Industries, Inc. started in the 1950s as a contractor for the U.S. Department of Defense, producing rugged outwear for U.S. armed forces, including iconic styles such as the MA-1 flight jacket and N-3B extreme cold weather parka. During the last few decades, Alpha gradually expanded operations to specialize in manufacturing military-inspired clothing for sale in the civilian commercial/retail space. Today they are a global leader in creating new military fashion styles, as well continuing to support various military veteran organizations. Steven Miller, CFO/CAO, joined Alpha Industries in March of 2015 and leverages Microsoft Dynamics NAV to produce financial statements as well as for budgeting and forecasting. Steve shares, “We have had Microsoft Dynamics NAV for less than two years and are now at a point of researching and learning how to better use the tool.” Steven and two of his finance team members attended NAVUG™ Summit for this first time in October and learned there is a lot more functionality in the system than they were initially aware of. “When you’re going through an ERP installation, you tend to be a deer in the headlights,” Steven says. “It wasn’t until we had some time to reflect that we could learn more outside of our daily tasks. NAVUG Summit

was our first exposure to valuable tips and techniques…and we loved it!”

Step by Step With a number of distributors across the world, Alpha Industries can depend on reliable reporting out of Microsoft Dynamics NAV to help identify any problems and are happy with their receivables, payables, and general ledger management. “As we get more ramped up in using Microsoft Dynamics NAV, we realize the need to get CRM more involved.” Steven continues, “We also understand how important it is to take a step-by-step approach, especially factoring in the huge learning curve we’ve had going from our previous system to Microsoft Dynamics NAV.” Their first step is to implement a thirdparty warehouse system to continue fulfilling e-commerce orders in a timely and accurate manner. One of Steven’s goals while at NAVUG Summit was to meet with a few third-party providers in the Expo. He was able to do just that and make valuable connections that will help Alpha Industries with e-commerce fulfillment. The company looks forward to using Microsoft Dynamics NAV to set up budget templates and factor in more historical aspects of their business trends. “This is the first time we’ve been able to see multiple years in our system to make proper forecasts,” Steven shares. “Now that we’re starting to see historical data year over year, we can make better decisions.”

NAVUG Summit was our first exposure to valuable tips and techniques…and we loved it!” Steven has been involved with other software communities, but says NAVUG is the strongest he’s seen out there. “Especially after seeing NAVUG Summit in person,” Steven concludes, “we can tell that the NAVUG community is passionate and a very helpful group of Users.” NAVUG

on’t Be Shy; It’s Just BI” was a rousing session at NAVUG™ Summit 2015, and this panel of business intelligence (BI) experts – Anthony D’Anna, COO of deFacto Global, Noah Kluge, senior manager for BI practice at Armanino, and Ulrik Pedersen, COO of TARGIT – is taking it further by tackling topics around BI budgets, predictive analytics, and Power BI.

NAVUG: Why is BI so important to every company? Anthony D’Anna (AD): No matter what the business, there is so much information available today. Making sense of that information is a challenge. BI makes it possible and easier to gather and use the information. Ulrik Pedersen (UP): Without BI, companies can only base decisions on instinct. BI makes it possible to be data-driven versus risking important business decisions on a hunch. Noah Kluge (NK): Very true. BI brings the major benefit of being more efficient. People need information in order to do their business, and a BI solution allows them to get that information out more efficiently. NAVUG: How can BI help and support various departments within a company? AD: BI solutions were first driven out of the finance department where most of the data was available. We’ll always have a need for reporting and analysis in that area, but beyond that, it’s become more relevant for the CFO to have access to data. The CFO has taken on a broader role, and they’re more involved in the daily operations versus just being a bean counter. NK: BI also adds in the ability to get to that information in the format that each department needs. Finance departments might need an Excel spreadsheet while sales departments need a dashboard view and a mobile view at that. They need data while they’re sitting in a parking lot or in a client meeting. UP: In addition to helping each department individually, BI helps align all the departments against one common goal. If you can focus on KPIs that are most important to your profitability, you can leverage BI as an alignment tool. NAVUG: How can Microsoft Dynamics NAV Users plan for BI? UP: It’s essential to assign the right resources internally and choose one resource that owns the project. If the BI project isn’t on schedule, that’s the area where we see it go most wrong. AD: I agree with that, and in addition, you have to have senior level buy-in from the very top while planning your BI strategy. You need someone who will support as well as enforce what comes after that so you can see the BI strategy come full circle. NK: Yes, and once you do that, you need to determine high-priority areas that you’ll address first. Bringing on too much at first can backfire, and we’ve seen that happen many times. Get a handle on the BI that is most available and useful so you can gather quick metrics that then prove the importance of BI to your company. UP: Yes, I would say that’s the top three list for sure: 1. Allocate resources, 2. Get senior buy-in, and 3. List your top priorities. NAVUG: In addition to senior buy-in, who in a company should be involved? AD: I’ve seen the most successful BI projects assign a committee with people from every area of the organization. This ensures each area can make requests and is more invested in the project. It’s when you get that level of buy-in from everyone that you’ll see the most success. UP: Every company has a different approach, but we would recommend to get involvement from every department head as well. First you need to figure out the priorities, per area and per function. Then you can Q1 2016 | 15


create a group within a company to decide where to begin so you don’t try to implement across all areas in one fell swoop. You’ll get the biggest bang for your buck if you start small. AD: I completely agree. If you can secure those quick wins, you’ll get the right kind of momentum behind you. More people from your company will want to jump on board and see a more successful project. Otherwise you can lose interest and support quickly. NK: You should also include a representative from the User community itself, a power User or two who can ensure you’re on the right path to deliver on your top priorities. Management buy-in is important, but a power User is critical to making it happen. NAVUG: What kind of budget is needed for a typical BI project? UP: Every scenario is different, but I would say to expect a minimum budget of $25,000 USD. Many of our clients are in the $50,000 range, and that’s all-in. NK: That’s such a tough question because there’s not often a defined ending to it. When you do an initial BI project that is useful to your business, you will want to and need to add to it. You need to continue budgeting for BI by either internal or external means. UP: Yes, if BI is successful, it never ends. AD: BI can get expensive, but if you manage it in the right way, you can save money. If you’re successful, you’re always going to have more data to manage and leverage. If you have a useful platform in place where you see success, keep it going. NAVUG: What are some of the coolest trends and or features around BI today? NK: One step beyond the buzz and trendy stuff is the basics around exception analysis and alerts. The new features around this area where people can be made much more effective by using a BI solution are huge and are gaining the attention they deserve. For example, if your waste is supposed to be less than three percent and you have an alert making you aware if it’s more, putting your company out of compliance, you can actually do something about that quickly. There are SO many different things to look at, and it’s simply not humanly possible to look at everything. BI exceptions and alerts make it possible to find those more urgent and critical issues while there’s time to do something about them. I also did a session around predictive analytics at Summit, and I think we’ll be seeing more and more features in this area to come. NAVUG: Is this where BI will go in 2016? Predictive analytics all the way? UP: I think we’re at the bleeding edge at this point. Once the use cases are proven, it could get more and more traction. AD: Yes, the use cases are still fairly simple. When it comes to volume metrics like sales, for example, it can be very useful. As with anything new, Users should start simple and then build up on where the value is. The BI community is focusing on getting the right use cases in place and proving it out before going to the next level. UP: Companies can burn a lot of money on this buzzword right now. Although a lot of cool things are possible, like predicting sales on weather forecasts or when a machine will fail, it’s still very new. If you have a very good idea of what you want and need to predict, you can create strong models, but start small. NK: I do hope people focus on the predictive analytics side before the idea of wearables. I also think Users will and should be more concerned with how to collect data in the cloud. It’s important to know if you even have access to the data and where that data lives before you bring it into your environment. Make sure to understand what you’re allowed to do with the data as far as who owns it. NAVUG: How has Power BI affected the Microsoft Dynamics NAV User community? UP: I think Microsoft’s big push behind Power BI will make BI a top agenda item for companies…if it’s not already. It’s also brought BI to a lower-entry point for companies that think BI is too much for them. More companies are definitely paying attention because of all that support from Microsoft. NK: I do feel data governance is at risk now that Power BI is in the limelight. Essentially anyone can go out and write their own reports outside of the structure and serve it up as official and vetted information. Businesses will be making major decisions based on that data, so even though it’s easier to leverage, data governance must still be in check. UP: Yes, Excel is what they used before, and now we see newer BI tools like Power BI offer up nice visualizations, but with all the same fallbacks as Excel, such as no data security or data scrubbing. If they’re not doing it right, then the same conversation has to be had around data governance. AD: Power BI supports that self-service model, and there’s really nothing to stop you from making something that looks good but may be way off-base. Is it real data? Has it been validated correctly? The power in the Users’ hands actually could be more trouble than Users bargained for. NAVUG 16 | NAVUG Magazine

Return Authorizations: A Streamlined Process by Bob Buccigrossi, EBO Group, Inc. here are many circumstances that may require the return of an incorrect or damaged item. Standard Microsoft Dynamics NAV 2009, 2013, 2015, and 2016 functionality, with minimal editing of the necessary forms (such as the Return Authorization and Sales Credit Memo) provides a streamlined process. Return Orders can be found in Sales & Marketing > Order Processing: » Create a Return Order » Select Functions > Copy Document to auto-populate a related sales document (minimizing key strokes and potential data entry errors). If the Posted Invoice is used, it will auto-fill the Applies-to Doc. Type and Applies-to Doc. No. fields. » Email the Return Authorization to your customer with instructions to include a copy with the item(s) being returned. » When the item(s) is returned to your warehouse, post the receipt of the Return Order. (Since we use multiple SKUs, all Sales Returns post to location RETORDER. This keeps the item from being calculated as available in our main inventory location GENINV.) » The item(s) is inspected, and the invoicing of the Return Order creates the credit memo and email as necessary. » In some cases, a re-stocking fee may apply. This can be done on the line of the Return Order prior to posting. » We use the FIFO costing method and have assigned the Exact Cost Reversing function on the Sales & Receivables Setup. There are additional options that can be used during the Return Order process. And yes, this functionality is similarly available for Purchase Returns! NAVUG

AVUG™ sat down with Gordon Macdonald, director of SMB product marketing for Microsoft, to talk about what “SMB” really means for Users, the reception of Microsoft Dynamics NAV 2016, and the benefits his team receives from spending one-on-one time with Users and Partners. NAVUG: One thing that has caused a little confusion in the community is the marketing term “SMB” and the thought that Microsoft Dynamics NAV is merging into a single product with Microsoft Dynamics GP and Microsoft Dynamics SL. How would you dispel that myth and use SMB in a context that makes sense to Users? Gordon Macdonald (GM): Microsoft is deeply committed to empowering every person and every organization on the planet to achieve more. One of our focus areas within Microsoft Dynamics is to empower small and midsized businesses (SMB) with great business solutions. The SMB segment is comprised of companies that have up to 250 employees and is a huge driver of innovation and growth in the global economy. There is a great diversity of needs within the SMB segment, and we offer a variety of business management products, including Microsoft Dynamics NAV, Microsoft Dynamics GP, and Microsoft Dynamics SL, to meet those diverse needs. We have ongoing investment in each of these products and a complete commitment to build great solutions for the SMB segment. NAVUG: Thank you for that clarification and reassurance. That helps to put things into perspective – and dispel some inaccuracies that are out there. Let’s shift gears and talk about the next release of Microsoft Dynamics NAV. When can we expect that? GM: Our most recent major release was in October 2015. The development team is now hard

at work on the next major version, with the goal of releasing the product in the second half of 2016. Across Microsoft, we are working hard to get more innovation out to our Customers earlier. We think this is absolutely essential to helping Customers achieve more in a mobile-first, cloudfirst world. Given this reality, I think it’s safe to assume that our release cycles for Microsoft Dynamics NAV will continue to accelerate. NAVUG: What was added to this new release to necessitate the jump in version year as opposed to making it an R2 or another cumulative update? GM: Microsoft Dynamics NAV 2016 was a milestone release. The product has significant new capabilities in mobility, business insight, and cloud services, as well as deeper interoperability with Microsoft Azure, Microsoft Dynamics CRM, and Office 365. We’ve had a great response from our Customers and Partners, especially around the new mobile experience and integration with Microsoft Power BI. NAVUG: What is the upgrade experience for Microsoft Dynamics NAV 2016? GM: We’ve done a lot of work over the past few releases to make upgrading the Microsoft Dynamics NAV application easier and less labor intensive, both through refined product design and by building tools to help speed up common upgrade tasks. A huge driver for us in this area is the significant number of Customers who are now choosing to consume Microsoft Dynamics NAV as a cloud service. Customers using a cloud service expect their solution to always have the latest and greatest capabilities, and they aren’t willing to wait months or years for an IT admin to finally upgrade them. NAVUG: What should a User do to best prepare for this upgrade?

GM: There are a ton of great resources on the Microsoft Dynamics CustomerSource site (https://mbs. microsoft.com/customersource/global). That said, my top advice would be to talk to your Partner. They will have all the latest info, plus the understanding of your specific solution and business needs. NAVUG: There’s a great video on Microsoft. com showing the connection between Office 365 and Microsoft Dynamics NAV login/ use. What have you heard from Users as far as this integration and Microsoft Dynamics NAV in the cloud? GM: Customers want to spend less time switching between apps and more time getting work done. The integration between Office 365 and Microsoft Dynamics NAV helps bridge the gap between where people do their work, and the data and processes they need to complete their tasks. Customer response has been great, and this is an area where we continue to invest significant development resources. GM: By far the greatest benefit of our involvement in these events is the chance to connect directly with Customers and Partners. Let’s face it: Our businesses are constantly changing, and sometimes our financial reporting isn’t always keeping up with those changes. Getting into the practice of evaluating your financial reporting every year is one way to make sure the things you are reporting are still useful to your businesses’ stakeholders. Here are some of the key things to review:

e all like to ring in the New Year and welcome January and the months ahead with our own traditions. For some, those traditions may be celebrating with family and friends. For others, setting aside time to plan goals for the upcoming year may be another way to get a fresh start. One tradition I have is to re-evaluate my Microsoft Dynamics NAV financial processes to make sure they are still efficient and relevant for my business. Here are two easy areas I recommend you review this month:

» Are there new areas of the financial reports that need to be emphasized? As our businesses change, we need to look at some areas in more detail. Take a look at the summarized accounts reflected on the income statement and balance sheet. Do these need to be reorganized, expanded, or contracted in order to reflect more relevant information for your business stakeholders? Make sure you’re not sacrificing period over period comparability by making these changes. You can go too far in the other direction by making very large changes, but small changes made gradually over time often tell a clearer story for your company.

» Are there reports produced

» Is there any report that is no longer

that are so similar they could be combined? In your examination of reports, you may find reports that overlap in their purpose. When you do, have a discussion with the actual Users of these reports to find out if one report may serve both or multiple purposes. This is oftentimes an easy way to eliminate some reports.

If you’ve got a way to see electronically how many times a report has been viewed and by whom instead of taking a verbal survey, you’ll often be surprised at who is really viewing requested reports. » Are the records complete? Examine records for key data fields. Are there phone numbers, emails, and websites listed? When using contacts, are there contacts for the company as well as individual contacts associated with the record? Are they still the right people associated with those contacts? The start of the year is a great time to schedule a review of these items and reach out to Customers and vendors to update information.

While we enter new Customers and vendors into our systems with some amount of frequency, we don’t often evaluate them to make sure the records are complete and working well with our business processes. Here are a few ideas on how to do that:

» Are cash management processes still effective? Cash needs and payment practices often stay the same out of habit. Evaluating payment cycles annually is a great way to improve back office efficiency. Is it really necessary to process a deposit daily? Maybe not, if automatic processes are handling the majority of cash coming in and what remains is exception processing that could be done once or twice weekly. The same applies to accounts payable. With the increase in electronic payments, it is often possible to pre-schedule payments going out which can oftentimes be accomplished in one weekly batch instead of multiple daily batches.

» Are payment terms still appropriate? Another way to create more efficiency with the payment cycle is to review payment terms. It may be possible to create different payment terms that help you better manage how vendors are paid. Take a look at what payment terms are currently on file. You may benefit from scheduling some regular payments to come up three days before the end of the month to allow for mailing time, or specifically at the end or the beginning of a particular month.

The detailed report now includes all product-based scenarios and calculations, which has eliminated numerous hours of manual manipulation. We are also expanding our 2016 budgets to include divisions, departments, and projects.

Our company created a Microsoft Dynamics NAV steering committee (NAVSC). This committee is a group of decisionmakers from our five companies currently utilizing Microsoft Dynamics NAV and the IT department, which I am a part of. The group meets each month rather than just prior to annual

budget meetings. I facilitate these meetings and feel it gives us the opportunity to zig and zag; it keeps us be responsive to the needs of our Users and/or business units. We created this group because the IT department was being asked to complete projects/modifications coming from many directions, and everyone thinks they are number one, which of course they are! IT needed to funnel the projects to be more efficient and effective. I pulled all requests for projects and modifications together to form our Microsoft Dynamics NAV project/modification pipeline. All projects start here, kind of a “project intake”, and are approved and prioritized. We currently have 28 projects/modifications approved in the project pipeline and tend to have three to six projects/modifications going on at any one time. As a project moves up the list, we re-evaluate the project again… view demos, request pricing, create ROIs, and then decide if the project will move forward. When budget time comes, there are no surprises; we have been working on our list all year. We know what is in our pipeline, and it is less stressful to pull any remaining information needed for budget meetings. UPC Barcodes: What You Need to Know by Steven Chinsky, Columbus, NAVUG™ Partner Member re you trying to store an image/link of the UPC barcode of an Item? With its pitfalls, using Link will not work to accomplish this. The best solution – and one that you can employ printing labels and the barcode on documents – is to store the barcode as an Item Cross-Reference.

A

As you can see, you establish a barcode for the Item, based on the UOM. This means you can have a Barcode for EA (Each) or CASE (Case). Now when a User scans the UPC, during data entry, it will cross-reference to the Item. This is very helpful for receiving, shipping, and various warehouse functions. To enter a barcode, under the Cross-Reference Type field, select Barcode. Leave the Cross-Reference Type No. field blank. Enter the barcode in the Cross-Reference No. field. Enter a Unit of Measure. To print the barcode on documents/reports, you add the barcode into the Report Object and set the Properties to a barcode Font Name. Below is a simple example of a label printing the UPC barcode, the UPC printed number, and Item No. (Note: If you need a barcode font, like 3 of 9 or others, you can download them for free from the web or contact me at Schinsky@verizon.net.) T

he end of a calendar year creates a flurry of activities for many companies: Finalizing budgets for next year, measuring the past year statistics, and creating objectives for the next one. I have always been interested in strategic planning, so I jumped at the chance to participate in a session at NAVUG Summit that really put a new light on this annual process for me. The track was called “Benchmarking: Do You Know Where You Stand?” Since I am not an expert on the subject, I started to do some research. Benchmarking, in its simplest definition, means to “evaluate or check something by comparison with (a) standard”1. Everything I found pointed to Robert Camp, Ph.D., of Xerox during the late 1970s and early ’80s as the beginning of benchmarking, although I did see some references to the work of Dr. W. Edwards Deming on the Shewhart Cycle as a contested starting point2. In this article, I’ll focus on the work of Robert Camp. While dealing with 34 | NAVUG Magazine

intense competition from both U.S. and Japanese competitors as well as rapidly losing market share, Xerox Manufacturing Operations started a process called “product quality and feature comparisons.” First, they bought competing products, catalogued their features and claims, and then tore them apart. It was not until the team at Xerox visited their Fuji-Xerox affiliate in Japan to fully understand the gravity of the issue: The Japanese could afford to sell their machines at a price equal to Xerox’s cost. As Camp shared in his book, “Benchmarking: The Search for Industry Best Practices that Lead to Superior Performance”, the knowledge that the Xerox managers carried back brought the company’s costs down rapidly, without compromising quality. A broader description for benchmarking commonly used today is a “measurement of the quality of an organization’s policies, products, programs, and strategies and their comparison with a standard measurement or similar measurement of its peers.”3


This broader definition of benchmarking brings in more types of benchmarking that have evolved over the years such as metric, internal, competitive, process, performance, strategic, and others. A comprehensive survey on benchmarking was commissioned by The Global Benchmarking Network, and it found the tools that are likely to increase in popularity the most over the next few years are performance benchmarking, informal benchmarking, SWOT, and best practice benchmarking. More than 60 percent of organizations that are not currently using these tools indicated they are likely to use them in the next three years.4 With this research, I felt I was ready to tackle my assignment. At NAVUG Summit, I met Ellen; she works for a Midwest “call before you dig” service. Ellen shared with me that she was already collecting data at their state’s main location for hold times, call completion, and da

customer satisfaction. She wanted to use this data and compare it across other states’ services to gauge where they stood. Not to brag or boast, but rather to find out where they stood among their peers. Her goal was to allow all those in her common industry to benefit from this knowledge and sharing. This would be a form of external benchmarking. In the same session, I met Tim; he works for a wine distributor on the West Coast. Tim was interested in a more formal IT benchmarking process to see how his Microsoft Dynamics NAV 2009 system was performing. He was already capturing data on connection times for his international Users who were connecting remotely to their U.S. database and comparing it to the local Users’ connection times. He was very focused on the Users’ experience: How long they had to wait for connection, how long the screens and pages took to render, etc. I

was able to provide Tim a detailed IT benchmarking assessment I had received from a colleague so he could formally document his findings. This would be a form of performance or metric benchmarking. The last attendee of our session (the 8 a.m. slot on the final day of a conference is not always the most popular) was Steve, a Customer I know very well from the consumer goods business. Steve shared with us some of the benchmarking results from his recent warehouse management system (WMS) implementation. If anyone knows metrics, it is Steve. Steve told us their per order pick time went from six minutes to 56 seconds by the second week of his implementation! But the compelling part of Steve’s story was not the 84 percent savings of time per pick, but that the journey to get to that point started four years ago with a plan, setting objectives, data analysis, reporting, and implementing improvement actions. In other words, it started with benchmarking. Through my NAVUG event and session, I learned that most

people and companies are gathering data and doing some sort of benchmarking, although it may not be as formalized as the original Xerox initiative. Of those who have formalized the actual process of benchmarking, those companies are seeing the positive affect of benchmarking in their everyday business, and the culture of the company has seen a radical change as it has accepted and adopted benchmarking as an everyday practice. ust about every business intelligence solution claims “ease of use.” Every vendor says it. The trouble is the inevitable gotcha. There’s always a catch, a little detail they don’t mention — and it’s almost always that the business User needs IT’s help to create or modify reports. That’s the old way of BI. Fortunately, there’s a new way to do BI. At DataSelf, we’ve been listening to business intelligence clients for more than 15 years about reporting and how they squeeze value from data. The several dozen people we talked to at NAVUG Summit 2015 confirmed what we’ve heard from business Users over the years: They want to be empowered, they want to slice and dice and drill down into their data, and they want to do that anytime and anywhere. Microsoft Excel® and Reporting Services are no-brainer tools, but almost all business Users want something simpler yet more capable, too. Whether they work in upper management, IT, finance, HR, accounting, or shipping, they’re responsible for delivering reports to decision makers — and they want to solve their own problems and do their jobs more efficiently. They have no time to fumble with Excel or, on a more powerful system, to wait for IT experts.

Business Intelligence Is about Business You can hardly blame BI vendors for playing to IT. At first, we at DataSelf were no different. After all, IT managed the organization’s data, so why wouldn’t the reports flow through them? But most IT groups lack the intimate knowledge it takes to grasp business needs, so business Users have to explain and explain again. Delays and do-overs follow even as new questions keep popping up. No one can wait for help for every new opportunity, problem, or prediction. There’s just no time to lose. So decision makers often just wing it, and that’s just not good enough. Productivity occurs when decision makers have a tool they can use wherever they are, whether at the office, in a conference room, or on the road. The more they know when they need to know it, the more value they create. What’s more, the more people you have who can create value with data, the higher your organization’s collective intelligence can go.

Knowledgeable NAVUG Users People in the NAVUG community are knowledgeable about BI. They just have to be. Reporting is a constant challenge, and many already see a solution: a data warehouse. Some have tried to build one from scratch, then create their own reports and analytics on top of it. Trouble arises when they come up short on skills, budget, and time. The good news is that there are providers that offer a data warehouse and tons of reports and analytics out of the box. That makes life easier!

Microsoft Charging with Power BI The new Power BI version is promising. Microsoft has taken the good parts of Excel reporting and created an independent product, and that package looks awesome. Anything new has bugs at first. But even so, people should try it.

My Advice to You My first advice is about empowering business Users, which can be tricky. All BI tools look easy in demos. But many of these tools won’t cut it in business Users’ hands. Remember, the tool should help IT’s job, but ultimately, it must be intuitive to the business minds. Second, there are many options for on-premises deployment or cloud deployment or both. Before you decide, be sure you understand the implications for your specific business. Third, educate yourself and then find a good Partner. Ask questions and gain a clear understanding of what you’re trying to achieve with BI. Look for reputable comparisons such as Gartner Magic Quadrant for BI Reports. Then find a good Partner who will help you deliver on those objectives. Perhaps start with a small project. Partners don’t want to implement something that is destined to fail. They all want to see you and your organization succeed. As a Partner, I’m here to help you decide what will work best for your organization. If it’s a competitor’s product, I’m going to tell you that. I don’t want your money if I’m not going to add significant value. Oftentimes our solutions complement a competitor’s solution, and many players in the BI market are good at working with another to figure out the best fit for a User. Remember, everyone’s learning, and technology changes fast. With 15 years behind us, we continue to have “aha” moments. One by one, though, we take each revelation and use it to build our arsenal. You also learn by crowdsourcing. We’ve done that by listening to Users; that’s how we built our 5,000plus reports, dashboards, and KPIs. Likewise, you should have a BI system that empowers a broad range of business Users to reap your organization’s collective intelligence. That’s the new way of BI. NAVUG

anham Associates began its relationship with Navision Software in 1997 by creating the product’s first distribution functionality, Advanced Distribution. A Microsoft Dynamics Gold Certified ISV, Lanham Associates has been creating complementary supply chain planning and execution products built inside and outside of Microsoft Dynamics NAV ever since. NAVUG: What is the story behind Lanham Associates? How, when, and why did you start your company? Dale Lanham (DL): I started the company in 1997, about three years before Navision was bought by Microsoft. I had about 15 to 18 years of experience in distribution and found that Navision, a great product at the time and still is to this day, just didn’t have the needed distribution functionality for the U.S. I saw the opportunity to make it better. Mary Lanham (ML): Dale was asked to look at Navision and assess it for distributors in the U.S. DL: After that assessment, we created supply chain features in Navision that made it competitive in the U.S. market, and we sold those rights to Navision. Then we started creating complementary products in the white space, focusing on areas in and around ERP where global software vendors experienced challenges. Lanham has since been the driver in making supply chain solutions that streamline EDI, the forecasting and replenishment of inventory, packing, shipping, receiving, warehouse management, and more, all built right inside Microsoft Dynamics NAV as extensions to the original products we designed.

NAVUG: What type of companies make up your Customer base? DL: Everything we do revolves around the supply chain, and that breaks into three types of Customers with commonalities across the board: 1. Wholesale distributors who buy products in volume from manufacturers and sell in either a business-to-business or business-to-Customer environment; 2. Distributors that import products, sell to large retail chains, and must deal with complicated EDI and shipping requirements; and 3. Light manufacturers that purchase components and assemble, repackage, or change the form of the purchased items. NAVUG: What’s the number one supply chain pain point you see these days? DL: The pain point we’ve always seen in this industry is that distributors are caught in the middle between manufacturers and their end customers. They are squeezed from both sides and must make sure they anticipate their customers’ needs and purchase the right amount of inventory while being careful not to get stuck with too much of the wrong inventory. That’s why our solutions focus on streamlining business processes and lowering costs so those distributors can make a profit while meeting the business demands around them. A newer challenge concerns sourcing products from outside of the U.S. If we asked a group of distributors 15 years ago whether they imported products, very few hands would go up. Today, everyone is buying and importing something. With that comes the issue of long lead times. If you’re buying products from China, it can take 90 to 120 days to receive your order. It is more important


than ever for distributors to really plan and forecast into the future. If you make a mistake, long lead times make it very difficult to recover quickly. Being out of stock can mean losing customers. ML: Today there is more data available than ever before. Keeping that sorted out and paying attention to the right data points is a challenge for many distributors. We help them manage by exception. If something is urgent, our software alerts them right away and helps them address their most critical needs. NAVUG: What do your clients like most about you and your solutions? ML: At Lanham we really go out of our way to make things as easy as we can for our Partners and end-Users. Because we work in the complex side of the supply chain, we have developed a company culture to go above and beyond to add value. I think our clients notice that. Our high-quality products are the foundation of what we do, and they can count on us to make sure things work the way they should. DL: Our clients look to us in terms of expertise, and likewise, we are always interested in Customer input for our product direction. We have two events that are great examples of that coming up in 2016. The Forecasting and Replenishment Forum is taking place in April of 2016; that’s where we meet for three days for hands-on learning and to gather input for the AFP product direction. We’re also excited to be holding our first-ever Lanham Supply Chain Summit in May 2016, which will be a similar format as the Forecasting and Replenishment Forum but will pertain to EDI, shipping, and warehousing. NAVUG: Speaking of 2016, what tips do you have for Microsoft Dynamics NAV Users to get ready for the New Year? DL: Package carriers typically update their charges and add new functionality at the start of the year. Our shipping product managers spend most of the year getting ready for these changes so that everything is ready to go for the first of the year. Customers need to update this information in their systems as well. ML: Lanham products support Microsoft Dynamics NAV version 5.0 all the way through to Microsoft Dynamics NAV 2016. We invest in making lots of updates and changes in our products to take advantage of the changes in Microsoft Dynamics NAV each year. Changes are coming faster than ever, and many of them drive significant advances in productivity for our Customers.

NAVUG: What else does Lanham have coming up for Microsoft Dynamics NAV in 2016? DL: We released three new products at Directions this year: Container Tracking, Address Verification, and Point of Sale (POS) Data Analysis. Container Tracking will help manage arriving inventory. ML: When you order inventory that is being imported, once it ships, you own it, but you cannot always count on receiving what you ordered. Container Tracking will track inventory each step along the way, while it’s on the water, to alert you as to when and what you will be receiving. Address Verification is a new service we will release in 2016. It will allow Users to verify any address at any point in the system. Once an address is verified one time, the system will re-verify it on a periodic basis without User intervention. In addition to making sure shipments arrive at the correct location, clean, verified addresses reduce address-related carrier penalties as well. DL: POS Data Analysis tracks inventory at the point of sale so that distributors can receive weekly data, by store, via EDI. For example, a chain like Walmart will transfer this data via EDI from each of its 4,000+ stores. The distributor can use this data to compare in-store inventory to projected sales and anticipate potential stock outages or overstock conditions. Vendor managed inventory (VMI) also becomes much easier with POS Data Analysis. NAVUG: What is vendor managed inventory? DL: That’s when a retailer contracts with a supplier to anticipate store sales and ship the required amount of products to maintain the optimum amount of inventory in each store. NAVUG: You’ve been in NAVUG since the beginning. What are your favorite things about the community? DL: In our business, we typically work through resellers. NAVUG is a great chance for us to listen to Customers and directly hear their challenges as well as show how we can help them. ML: It’s a great group of people. We’ve had exposure to other User groups outside of Microsoft Dynamics, and it’s nice to be with a group that’s positive and forward thinking. The NAVUG community is great that way. They seem resourceful and open to new and better things. NAVUG

s the stewards of our organizations’ financial systems, this is the time to make preparations for our next fiscal year within Microsoft Dynamics NAV! Most people run their fiscal year based on a calendar year, making this the perfect time to ensure that your Microsoft Dynamics NAV environment is finely-tuned and humming along as we start 2016. There are a number of things to do to ensure you start the year on the right foot. First, now is the perfect time to make sure that inventory periods have been successfully closed at least through the first three quarters of the year. I list this first because inventory adjustments often have the largest impact on an organization’s financial position. Closing

the inventory periods in Microsoft Dynamics NAV ensures that all negative inventory situations have been addressed and at the same time ensures that all inventory values and costs have been fully adjusted. If these haven’t been closed in a while, it may take some time to address these situations that prevent the periods from being closed, and by doing this task now, these adjustments can be made in the current fiscal year, providing a clean inventory valuation as of year-end. The new accounting periods and inventory periods can also be created in advance of a new year. You can use the “Create Year” function to complete this task in a single click, or manually enter the new periods. Either way, five minutes ought to be enough time to complete this task. Year-end is also when many organizations review their accounts receivable and write-off balances that are deemed to be uncollectible. You can preview what invoices are likely to fall into this uncollectible category by running the standard Aged Accounts Receivable Report 42 | NAVUG Magazine


using a filter on the “Show if Overdue By” date formula. This field will limit the results on the report to those that exceed the specified date formula (365D, for example), providing you with a clear view of the likely impact of year-end receivables write-offs even before the end of the year arrives. Let’s not forget about budgets! If you haven’t already done so, now is the best time to begin building the financial budget for the next year. There are several tools and features of Microsoft Dynamics NAV’s GL budgets that make building a new budget very easy and also very forgiving. Let’s start with the forgiving part. Microsoft Dynamics NAV allows you to create an unlimited number of budget codes and lets you just as easily edit/delete entries within these codes or delete the entire code altogether. As such, any mistakes or omissions can quickly be resolved. There is also a “copy” function in the budget worksheet that allows you to copy an existing budget or copy your actual GL entry history. And if you are expecting 30 percent growth over last year’s sales, the “Adjustment Factor” field in the copy function can be used to apply this factor to all of the copied entries. But if all that is needed is a high-level budget, Microsoft Dynamics NAV allows budget entries to be created against “total”-type GL accounts. Use the GL budget worksheet to manually type in these budget entries so that you have a summary-level, actual-to-budget income statement available this month. Here are a few other things to consider that will keep your Microsoft Dynamics NAV’s finances in order. Review the User Setup table and make sure that every active User of Microsoft Dynamics NAV has a record in this table. This will ensure that posting date ranges are restricted properly. Also, under the “IT Administration” menu, Microsoft Dynamics NAV provides a host of data deletion and date compression utilities that can be used to clean up records and reduce the volume of historical data in the Microsoft Dynamics NAV database. Never run these in your “live” environment without first understanding the impact of these utilities; used

correctly, these will help keep your Microsoft Dynamics NAV database operating efficiently. Finally, remember that you can run the Close Income Statement many times, so consider running this as part of your standard month-end close process for December, knowing that you can still continue to make adjustments into the previous year and re-close the year again to roll these changes into the new year. he NAVUG™ team was happy to recognize the Northern Cal (California) chapter as the 2015 Chapter of the Year at NAVUG Summit. This chapter was recognized due in part to their creativity. They host unique meetings for their 50 active Members at User sites, focusing on fun, great learning, and sharing best practices. In a few words: They are awesome! Matt McGinley of San Francisco Bay Gourmet Coffee is the enthusiastic chapter leader and has done a fantastic job of chronicling the chapter’s meetings through notes and photos posted to Collaborate. “I believe our meetings have been popular and wellreceived,” says Matt. “We provide so much location and topic diversity that there is something for everybody. Also, it’s such a great and fun group of people that the meetings are always successful, in my opinion!” The Nortnern Cal (California) chapter plans to keep having their meetings in “wonderful places with wonderful people”, and locations for meetings in 2016 are already secured. Matt’s joyful engagement with his chapter is evident when we asked what he likes most about being a chapter leader. “The thing I like most about working with our chapter is our Members,” says Matt. “Meeting new Members and fostering relationships with Members I’ve known since the beginning is very rewarding and places a huge smile on my face. We really do care about our chapter and the Microsoft Dynamics NAV community as a whole.”

Coffee Beanery is a family-owned specialty coffee franchise with more than100 stores across the U.S. and 20 locations internationally. The company roasts and packs all its coffee at its headquarters in Michigan before shipping it all over the world. Before Coffee Beanery started working with k-eCommerce, the company worked with another e-Commerce website provider that over-promised and under-delivered. Customization of the site was so costly that Coffee Beanery couldn’t make any changes on its own, and the functionality simply wasn’t there. Users were having to manually enter any orders from the website into Microsoft Dynamics NAV so that numbers would align and inventory was updated. Laurie Shaw, vice president of marketing, operations, and training, shares, “It was an extremely inefficient process. Nothing was automated. Nothing was connected.” While Coffee Beanery experienced amazing growth in its Amazon sales last holiday season, the organization was not prepared for the workload. “Sales were up 400 percent, and we were still on a very manual process,” Britain Butcher, creative manager, says. “If you don’t update Amazon with shipping details within a specific timeframe, you could get shut down and receive bad ratings. We made it through last year, but we are really looking forward to this season now that we have k-eCommerce in place.” Given its prior e-commerce relationship, Coffee Beanery entered its partnership with k-eCommerce with caution. Now having worked together for two years, Coffee Beanery’s website is live, mobileenabled, and completely connected with Microsoft Dynamics NAV and Amazon. “They have been amazing to work with. They stay on top of all e-commerce best practices and are very innovative in coming up with new solutions for our business,” Laurie says. “The people there instill a level of confidence. They always do what they say, and that is very hard to find, as we know too well.” k-eCommerce created a completely connected loop of automatic touchpoints with Microsoft Dynamics NAV, Coffee Beanery’s website, and Amazon.com. “We’re trending another 300 percent in growth this year, and there is no way we can manage that without this automation,” Laurie says. Workload has decreased immensely, and employees can now focus on the increase in sales. In addition to greatly increasing the efficiency and accuracy in orders without error-prone manual entries, the company is proud to have a mobile-enabled site. Britain explains, “Google recently changed its mobile requirements, and k-eCommerce helped us replatform and launch the mobile site. Now our franchises can order on their iPad register systems instead of faxing or calling in their orders.” Giuseppe Ianni, vice president of sales at k-eCommerce, says, “k-eCommerce strives to deliver best-in-class web stores with seamless integration to businesses in the Microsoft Dynamics NAV space, and we are ecstatic to have a client like Coffee Beanery that utilizes the platform to its fullest potential to help its business scale.”

West Music Company has seven retail stores located in Iowa and western Illinois. As a full-line music store, the company offers everything from upper-line percussion instruments to music therapy and everything in between. April Humphrey, vice president and controller, says, “If it has to do with music, we’re involved! Our mission describes us to a tee, ‘Creating musical communities by providing knowledge, products, and services people need to experience the power of making music’!” West Music Company implemented Microsoft Dynamics NAV in 2005 and soon realized a few challenges in processing credit cards for its unique needs. For example, it would take six to seven hours each month to run a big batch of 6,000 credit cards for rented and leased instruments. “Time for submittal used to take at least seven seconds per transaction,” April explained. There was also a scattered approach to managing the point of sale (POS) system and website. “Nothing was integrated, and with the growth of our online business, we simply couldn’t keep up,” April adds. West Music Company implemented ChargeLogic Payments in 2008 for phone and store sales. In 2014, it implemented ChargeLogic Connect to securely accept credit card payments on the company website and now benefits from a completely integrated credit card processing solution within Microsoft Dynamics NAV. Time for submission has greatly improved for batch processing, and Users are now able to process seven credit cards per second, cutting the overall time to just three hours each month for the large batch. ChargeLogic also allows West Music Company to tighten up security and lower its risks since the solution can tokenize credit card numbers, which helps in achieving PCI compliance and safeguarding customer data. April shares, “We do business with customers through so many different channels. Not only can we store their credit cards securely, but we also don’t have to keep asking customers to share that information.” Returns can be processed without credit cards, and ultimately better customer service is offered. Now that Microsoft Dynamics NAV is integrated with the POS and website, West Music Company can adapt to any growth in its online sales. “The seamless process ChargeLogic enables between Microsoft Dynamics NAV, POS, and our website is amazing. We wouldn’t be able to handle the online growth without it,” April explains. ChargeLogic even helped West Music Company update its POS technology to meet the new EMV requirements, recommending versatile terminals that have worked out well for its needs. “ChargeLogic has been fantastic to work with. They are always very willing to work through our processes while educating us along the way,” April concludes. “They have their finger on the pulse of our industry, and I would 100 percent recommend them to anyone who asks.”

DANÆG is the leading manufacturer and provider of fresh eggs and egg products in Denmark. The company runs its operations on Microsoft Dynamics NAV with the advanced warehouse and manufacturing module, specific add-on modules for the life sciences industry, and a customized solution for the grading, packing, and processing of eggs (MOBA). DANÆG turned to TARGIT Decision Suite to help automate the data pulling and analysis side of its business. With everyone talking about big data, Niels Nybro Bolding, DANÆG IS/ERP manager, holds a different opinion about what’s most critical to keep the business ahead of the curve. “The big trend is to access big data, but really it’s the simple and critical data we need, and TARGIT helps us simplify our information.” TARGIT’s business intelligence platform allows DANÆG to drill down into periods, closing dates, customers, items, measures, and more, helping fill any gaps in the operation. Report generation and development time is down 20 percent since implementing TARGIT Decision Suite. ”The connection between Microsoft Dynamics NAV and TARGIT is so smooth and stable that we can talk about a report in the morning and have that data to review the same afternoon,” says Niels. Building analysis cubes is faster, and extracting data is easier than ever before at DANÆG. At the top of the company’s list of most exciting features is TARGIT Data Discovery, available in the latest version of TARGIT Decision Suite. The Data Discovery module connects the business intelligence solution with external data and internal data outside the data warehouse, making ad-hoc analytics and real-time analyses fast and simple. “We now have a fast alternative way to develop new cubes for our end Users,” says Bolding. TARGIT BI is so User-friendly that any User – with or without IT experience – can easily extract data from a Microsoft Excel file. “It used to be too complicated for Users to access the data they needed,” says Niels. “Now we only need one ERP and TARGIT expert on staff since we don’t have to pull reports for Users left and right.” The ability to extract data from various Excel spreadsheets and into one view in TARGIT in a matter of minutes is a huge improvement over what used to take the company two weeks. “We are much more on top of the business now because we can access information fast,” Niels adds. “I give TARGIT a hard time because I’m not sure they understand just how great their product is,” Niels concludes. “In my opinion, they’re not promoting Data Discovery enough. It’s an amazing feature that helps us get to the critical data for our business.”
