LIBRARY ROLES STATEMENT POPULAR MATERIALS: The library is committed to providing materials that reflect popular culture and trends and which fulfill the community’s desire for a satisfying recreational experience.

REFERENCE RESOURCES: The library is committed to providing materials that fulfill the community’s need for information and answers to questions on a broad array of topics related to work, school, and personal life.

INDEPENDENT LEARNING: The library is committed to providing materials that help address the community’s desire for self-directed personal growth and development opportunities.

INTRODUCTION TO THE DEARBORN PUBLIC LIBRARY SYSTEM The Dearborn Public Library operates a main library and two branch libraries which are connected by a wide-area network. The staff consists of 28 full-time and approximately 53 part-time employees for a total of 55 full-time equivalents (FTEs). The library’s total operating budget is approximately $5.4 million, which includes indirect costs such as insurance, utilities, and building services. Our primary service is lending material for home use. This fiscal year we lent 662,312 items to patrons, an 11.88% decrease, still attributable to the closure of Snow Branch in 2011. Our next largest service is assisting patrons with reference or other questions either in person or by telephone, e-mail, chat

or text message. On average, we receive more than 100,000 patron inquiries each year. Our third major service is programming.

During FY2012-2013, library staff

coordinated 437 programs with a total attendance of 20,295.

As compared to the

previous fiscal year, program attendance increase nearly 11.5%.

In addition, we

provide outreach service to the homebound, delivering 229 items during FY 2012-2013.

Highlights of the Year Library Commission A nine-member Library Commission, whose members are appointed by the Mayor, governs the library system. (See page 51 for a list of Library Commissioners). Each commissioner serves a three-year term and may be reappointed.

The Library

Commission deals with library policy, general oversight, long-range planning, and budgeting. During the past year, the Library Commission: 

Agreed to pursue a strategic planning process with a facilitator upon approval of funding in the FY14 budget



Approved a change, as recommended by the Library Collection Development Committee, to the Lucky Day DVD charge, changing it from $1.00 per two-day rental to $2.00 per two-day rental (October 2012)



Approved a charge of $10.00 per obituary name search for Dearborn residents and $20.00 per obituary name search for non-residents (December 2012)



Accepted the resignation of Library Commissioner Candyce Abbatt after 15 years of service due to her move out of the City of Dearborn (December 2012)



Approved no increase to the library rates and fees for FY2014 (February 2013)



Approved the check-out of three Lucky Day DVD titles for $5.00 (February 2013)

Approved, in order to clean-up the patron database, the purge of inactive patron accounts at 5 years if they have fines or fees of $10.00 or less (February 2013)



Approved an amendment to the obituary look-up charge to a flat $20.00 per name, no matter what the residency of the person inquiring is in order to streamline the process (May 2013)



Welcomed the re-appointment of Library Commissioner David Schlaff, Sally A. Smith and Nancy L. Zakar (June 2013)



Welcomed the appointment of Ali H. Dagher to the Library Commission to fill the vacancy created by the resignation of Candyce Abbatt (June 2013)



Approved the continuance, for another year, with the Library Commission’s current officers:

Completed the upgrade to fire alarm system (Applied Building Technologies) at the Henry Ford Centennial Library (HFCL) to meet fire code (July 2012)



Added a second security alarm panel in the HFCL guard room that will control the second floor and the stairwells in order to arm the second floor and keep the first floor unarmed when there is an event in the auditorium (October 2012)



Installed a second alarm panel near the entrance to northwest corridor so Processing staff are able to unarm the alarm when they enter the corridor (October 2012)



Installed additional lighting over the Circulation Desk at Esper Branch Library (January 2013)

Completed the final upgrade to the HFCL auditorium by adding a wider projection screen, a wide-screen projector, and a Blu-ray player as well as high-definition capacity (March 2013)



Began work on the installation of additional security cameras at the HFCL, particularly in the public meeting rooms on the third floor (June 2013) Cost Savings or Revenue Producing

Increased the charge for black & white copies and network prints from 15 to 20 cents (July 2012)

Increased the internet use card from $20 to $35 annually or $20 for six months (July 2012)

Customer Service 

Delivered 27 boxes of non-perishable food items to the Dearborn Firefighters Burn Drive from the Dearborn Public Library’s Food for Fines program (August 2012)



Implemented a text reference service whereby patrons can text short, non-circulation related questions to the library (September 2012)



Reduced the number of items regularly appearing on the Problem Status With Requests Report; for example, September 2010 had 180 items on the list, 70 items in September 2011 and only 40 items in September 2012 (September 2012)

Implemented the Instant Messaging/Chat Reference service (October 2012)



Rearranged the International Languages Collection so that it is readily seen, easily accessible and better organized. The collection is now more appealing and userfriendly (November 2012)



Purchased and implemented Evanced™ Room and Event Booking software to manage events and room reservations. Eventually, this software may be used by other City departments (March 2013)



Created a Lucky Day DVD collection which allows popular DVDs (typically with a long request list) to be checked out immediately, for a fee, without having to place a hold request (November 2012)



Launched MeLCat interlibrary loan service which allows patrons to borrow material from over 400 Michigan libraries (public, school and university) and have that material delivered to the HFCL. To date 527 items have been borrowed from other libraries for our patrons and we have delivered 591 items to other libraries for their patrons (February 2013-June 2013)



Added face-out shelving for the new Lucky Day DVD collection (April 2013)



Implemented Learn4Life, an online resource which delivers, to Dearborn library cardholders, hundreds of engaging, instructor-led, online courses focused on professional development, technology skills, and personal enrichment (May 2013)



Purchased a new DVD repair machine which also cleans Blu-ray discs including the PS3 games (May 2013)



Received 250 new chairs for the public area at the HFCL, to replace 250 worn-out chairs that were purchased in about 1968 (May 2013)

Implemented new tabs in the online library catalog to make it easier for patrons to access MeLCat, Book Club Kits and the Summer Reading Program registration (June 2013)



Improved the online presentation of Library Matters, the library newsletter, through the use of Issuu™ software (June 2013)



Provided public meeting space for 2,654 groups (8,658 people) during FY2012-2013



Created a You Are Here map for the HFCL, second floor (June 2013)

Physical Arrangement of Buildings 

Rearranged the Youth Services storage room by moving the Friends of the LibraryDearborn office from a portion of HFCL Room 156 into HFCL Rooms 171 and 172 (August 2012)



Relocated the Processing agency from the HFCL mezzanine to the first floor, northwest corridor (former Health Department) for greater efficiency when receiving and dispatching library material (December 2012)



Provided storage space to the Dearborn Police Department in HFCL Room 109 (April 2013)

Programs In addition to regular programming activities such as story time, lectures, movies, computer learning and craft workshops, the library participated in several exceptional events. 

Hosted the Korean War Armistice Anniversary program in honor of veterans of the Korean War (July 2012)

Continued the series of workshops called Tech Time where patrons can work with staff regarding a variety of technological devices, primarily e-book readers (Fall 2012 through Spring 2013)

Partnered with the University of Michigan-Dearborn Mardigian Library to present a lecture by Morris Wolf entitled “Exploring Raoul Wallenberg in Literature and History” (August 2012)

Participated in the Library of Michigan’s Michigan Reads event with a program featuring author Denise Brennan-Nelson; 113 children/parents/teachers were in attendance (September 2012)

Hosted a National Novel Writing event through NaNoWriMo (November 2012)

Volunteers 

Bryant Branch Library volunteers processed 5,335 paperback books

Friends of the Library-Dearborn (FOLD), through their monthly used book sale and the sale of products such as totes and flash drives, raised $30,177.24 for the library.

In addition, FOLD received $4,833.04 in donations and grants for the library



Dearborn Public Library Foundation raised $19,698 during the calendar year of 2012 through various methods including the Annual Resident Campaign, Business Campaign, and Kroger Community Rewards Program



Hosted the Annual Volunteer Recognition Luncheon at the Dearborn Hills Golf Course on May 3, 2013

Other Significant Activities/Events 

Hired three Librarians: Isabella Rowan in Adult, Kathryn Takach in Youth Services and Joseph Wasukanis at Esper Branch; Kirt Gross transferred to HFCL, Adult Services from the Dearborn Historical Museum.

Two new part-time positions

created: A/V Technician to assist with audio-visual needs at all programs (Michael Kuentz) and Digital Resources Developer to help with the development of the library website and to manage online resources (Matthew Tansek) 

Suffered a power failure at the HFCL when an underground electrical cable, 1500 feet from the Powerhouse, malfunctioned.

The HFCL closed to the public from

Tuesday, January 15 until Thursday morning, January 17, 2013. During the closed period, branch libraries extended their hours to accommodate patrons. With the use of a generator to power our computer servers, staff was able to check-in returned material and process patron holds to send to the branches. Staff worked by lanterns and emergency lighting strung on the first floor by our able City electricians (January 2013)

Awarded the Bridging Cultures Bookshelf:

Muslim Journeys from the National

Endowment for the Humanities and the American Library Association. The program aims to familiarize the public with the people, places, history, faith and cultures of Muslims in the United States and around the world (January 2013) 

Awarded the Hawthorne Award, the very first Stellar Scholars award in library science (February 2013)



Awarded a $10,000 grant from the National Endowment for the Arts to participate in The Big Read. Dearborn Public Library was one of 77 libraries in the nation and one of two libraries in Michigan to receive the grant. Events and activities centered on Jack London’s classic novel, The Call of the Wild are planned for March 2014 through May 2014. The program will be called “The Big Read Dearborn” and is themed “Call of the Wild: EmBARKING on Discovery.” Another marketing catch phrase is “Do you hear the Call?” (April 2013)



Awarded $3,500 programming grant from the National Endowment for the Humanities and the American Library Association for Bridging Cultures Muslim Journeys Let’s Talk About It: This award will support adult programs based on the “Connected Histories” theme of books in the Bridging Cultures Bookshelf (May 2013)

MAJOR DEPARTMENTAL FUNCTIONS The Dearborn Library System, in order to accomplish its mission, operates through four major functions: lending, information, outreach, and public programming. All citizens have access to a wide range of materials and resources as well as computers, the

Internet and basic Microsoft software. Many library resources are also available to our cardholders from their home or office computers.

Customer Profile: Based on active borrowers during the last fiscal year, 29% of users are under 18 years, 12% are between 18 to 25 years, 14% are between 26 to 35 years, 15% are between 36 and 45 years, 12% are between 46 and 55 years, 10% are between 56-65, and 8% are over 65 years.

Information Service Full-time and part-time employees participate in the Information Service, which is provided at all libraries. Primary components are: 

Customer Profile: A majority of users of the Public Program Service are under 18 years of age, and are usually accompanied by a parent.

attending programs specifically for adults make up approximately 26% of our total program attendance.

MAJOR FUNDING SOURCES General Fund Beginning in FY13, as approved by voters in November 2011, 1 mil is dedicated to the library system. As the revenue from 1 mil is insufficient to meet the funding needs of the library, an additional $2,200,000 was contributed to the library from the general fund.

Penal Fines The Michigan Constitution states that libraries will receive revenues from the court system on a continuing basis.

Library Aid The library receives per capita monies set each year by the State. Under P.A. 89 of 1977, the General Appropriations Bill, we are eligible to receive revenues in the spring

of each year. In order to qualify for library aid money, the library must complete the State report and be open to the public for a minimum of 55 hours per week.

Fines and Fees The library receives fine payments for overdue, damaged and lost material from library users. Fees are paid for non-resident cards, Internet user cards, daily internet passes and room rentals.

ACCOMPLISHMENTS AND PROGRESS MADE TOWARD ACCOMPLISHING GOALS 2012-2013 Goal 1: Work with the Dearborn Library Commission to develop a strategic plan for the Dearborn Public Library.

Initial discussions regarding the strategic planning process were begun. Various strategic plans were reviewed and it was agreed to request money in the FY2014 Library budget to hire a strategic planning facilitator who will moderate meetings as well as conduct and manage public surveys and focus groups.

Goal 2: Launch MeLCat borrowing for Dearborn residents.

Complete.

MeLCat borrowing from over 400 public, school and university

libraries was launched February 2013.

Goal 3: Complete credit card payment project for library fines and fees to allow for online payment.

This goal was delayed until the upgrade of the library computer system, Horizon, as this service is part of the upgrade rather than being a third-party product as originally planned.

Goal 4: Continue work on the library re-lamping project.

New fixtures over the Esper circulation desk have been installed and track lighting for the Esper DVD shelves is on order. The replacement lamps for the high ceilings at the HFCL are on order. A requisition has been entered for a performance contract for upgrading lighting at both the Bryant and Esper Branch libraries.

Goal 5: Continue work on the wall repair and ceiling tile repair/replacement project.

No wall or ceiling tile repair was necessary in FY2013. However, when the roof is replaced at the HFCL in FY2014, many ceiling panels will need repair and repainting. Additionally, when the wallpaper is replaced at the HFCL, wall repair will be necessary.

Goal 6: Continue working with the Dearborn Library Foundation to develop fundraising programs.

Library staff continues to work with the Dearborn Library Foundation on fundraising campaigns such as the direct mailing campaign to residents and the direct mailing campaign to local businesses.

The Foundation held the 1st Essay Contest in FY2012-2013. Approximately 87 essays were received from seniors at Dearborn public and private high schools.

Two winners were selected: Brandon Williams from Divine Child High School for his essay on The Role of Libraries Today and Marwa Harp from Fordson High School for her essay on The Perks of Being a Wallflower. Each winner received a $500 U.S. Savings Bond.

The Foundation hopes to fund an upgrade to the teen area at the HFCL during the next fiscal year.

Goal 7: Continue to adapt our service mix to reduce staffing and funding.

The library continually reviews opportunities to improve our funding situation. 

The implementation of the Lucky Day DVD collection has earned the library approximately $3,500 since December 2012.



In January 2013, the library was awarded the Muslim Journeys Bookshelf grant from the National Endowment for the Humanities and the American Library Association which provided 25 books and four films to familiarize the public with the people, places, history, faith and cultures of Muslims in the United States and around the world.

In May 2013, the library was the proud recipient of a $10,000 Big Read grant from the National Endowment for the Arts (NEA) and a $3,500 programming grant from the National Endowment for the Humanities (NEH) and the American Library Association for Let’s Talk About It: Muslim Journey’s program

Additionally, the library continually works toward process improvement 

Creation of two new online StaffNet payroll reports, one to assist with biweekly time card processing and the other to manage part-time staffing hours



Continued work on the new library website which will streamline the updating of the site in general and the library events calendar in particular



Implemented Evanced™ software which will streamline event bookings, room reservations and Summer Reading program registration and, potentially, be a solution for other city department room reservations

Goal 8: Continue marketing the library and our services.

Great progress has been made by the Library Marketing Committee in order to successfully market the library and its services 

Identified two librarians who will serve as marketing coordinators, one for adult programs and one for youth programs



Developed a Marketing Flowchart for all marketing efforts in order to approach our marketing in a consistent manner and to ensure that all staff are aware of their role in the marketing effort



Purchased a variety of promotional giveaways to market the library



Revised the library logo to include the tagline “Start Here, Go Anywhere”

Expanded the library tagline to creatively tie it into the program being advertised. For example, “Start Here, Get History” for a program on history.

Goal 9: Install additional security devices (cameras and card swipes) on new meeting/study rooms on mezzanine at the HFCL. Work began in June 2013 on the installation of additional security cameras on the third floor of the HFCL. Goal 10: Continue work on the HFCL roof replacement.

While preliminary discussion has been held regarding the HFCL roof replacement, it was decided to attend to the roof penthouse panels first.

Currently, we are waiting for expert’s report regarding the panels. The resignation of the buyer in charge of construction-type projects may delay this initiative in FY2013-2014.

Goal 11: Continue work on furniture re-upholstery at the HFCL. Complete. Rather than re-upholster existing chairs, it was less expensive to order new chairs from Jasper Chair Company that were the same design and model as purchased in 1969. The old chairs functioned well for over 30 years and the vendor was able to reproduce them, using the same materials and construction standards.

Goal 12: Launch mobile version of library catalog.

This goal will be part of the upgrade to the library software, Horizon, in FY14.

OTHER SIGNIFICANT EFFORTS DURING THE YEAR Library Collection Maintenance and Development As always, the library’s collection of material continues to be the primary focus for the majority of our staff and the various agencies. During better times, our materials budget hovered around $650,000. In FY2012-2013, we were allocated only $400,000 to purchase library material, making it difficult to purchase material in a variety of formats (hardcover book, paperback book, large print book, audiobook, download e-book and downloadable audiobook).

The Processing agency orders the material that the selecting librarians have chosen and then receives, invoices, and processes the new material into the system.

Approximately 17,853 items were processed in the system including new material, material being transferred, and material being repackaged. As a point of reference, in FY2004-2005, over 37,000 items were processed into the system.

To somewhat mitigate our reduced budget, 1,236 donations were added to our collection thanks to our volunteer (retired librarian) who reviews all donations and selects the best for our collection.

Very little staff time was spent on original cataloging as we purchase cataloging for a majority of our material, including foreign language material.

During FY2012-2013, 29,924 items were deleted. The library collection totaled 223,220 items at the end of the fiscal year. Total value of the collection is $4,579,834. Our online databases continue to grow in popularity. The library subscribes to a total of 48 databases (nine are paid subscriptions and 39 are without-charge subscriptions provided through the Michigan Electronic Library). The most recent addition to our

online resources is Morningstar Investment Research Center, the online product for the popular investment resource which ceased print publication in late 2012.

Circulation Services Check out of material by patrons decreased by 11.88% this fiscal year.

Traffic

decreased about 4%. The library has 36,580 active card holders (used their library card during the last three years), which is approximately 3% less than last fiscal year.

Patrons continue to use the library’s “hold” service (requesting to be put on a list for checked-out material). In FY 2012-2013, 78,354 holds were placed, which is a 16.78% decrease. The library has 13,826 patrons signed up for e-mail notifications of hold or overdue material, a slight decrease over last fiscal year. We continue to attribute these decreases to the closure of Snow Branch Library in 2011.

The popular Food for Fines program was once again offered in 2012. This program allows patrons with fines on their account the option of donating a can of food and subtracting $1.00 for each can donated. The library was able to collect over 27 boxes of food for the Dearborn Fire Fighters Burn Drive Program. Patrons benefitted greatly from the ability to reduce their account balances and they enjoyed assisting the community through this program. We plan to offer this opportunity to patrons yearly.

Unique Management, our collection agency, continues to do a tremendous job in contacting our delinquent patrons, encouraging them to return material and pay delinquent accounts. We continue to recover just over 50% of outstanding materials and/or fees with the help of Unique. During FY2012-2013, Unique generated $12,800 more cash than they billed in fees. In addition, they recovered over $11,000 worth of library material. This translates into a $4.50 return for each $1.00 invested.

In April 2008, we contracted with Unique to send out overdue mailers. FY 2012-2013 was the fourth year with this service. Outsourcing overdue mailers eliminates staff time preparing and printing the mailers as well supplies and postage associated with sending out the mailers. Also eliminated is the time spent by staff in the City mail room. The notices are much easier to read (letter rather than carbon crash mailer) and patrons receive them in the same timely manner as when the library staff was responsible for this task. In FY2012-2013, Unique invoiced the library $4,180 for the overdue mailer service.

Programming Services The library continues to offer a wide range of activities for people of all ages. The majority of programs are held centrally at the HFCL but the branches do offer patrons the ability to participate in library events such as the Summer Reading Program or the Annual Bookmark Contest. For families with children, our Youth Services staff provides a variety of story hours, craft workshops, and contests, as well as contracting with professional entertainers for special events throughout the year.

During summer

months, reading programs are offered for people of all ages. Adults, teens and children read a total of 6,780 during the summer 2012 reading program.

The Annual Youth Services Bookmark Contest elicited a 67% increase over last year.

However, even with this increase, the actual number of submissions continues to be very low and it is likely that the program will cease to be run in this same format in the future. As in the past, the winning bookmarks are printed on colorful cardstock with recommended book titles appropriate for that age level and are available at all library locations for distribution.

Programs for teens included the 2012 Teen Read Summer Program with over 160 teens signed up to participate. Additionally, to keep teens informed about new young adult titles and programs, they can sign up to receive BookLetters™ emails from the library. We have 331 teens subscribing to the two teen BookLetters™ service.

The 2012 Adult Summer Reading Program attracted 392 adult readers. Adult programming also included the ever-popular Blockbuster Movie series which is sponsored by the Friends of the Library-Dearborn (FOLD). Forty-six films were shown during the 2012-13 season with total attendance of 3,830. In addition, FOLD offers monthly programs for adult audiences that are very well-attended. During FY20122013, these programs attracted nearly 500 patrons. History and travel programs proved to be of particular interest to the library audience. A program on Michigan road trips attracted an audience of about 150 people and one on the Battle of Midway had 100 people in the audience.

In August 2012, the library held its eighth Annual Reading Wrap-Up Party, inviting participants from all Summer Reading programs. For the first time ever, the party was held indoors due to the weather. Approximately 250 attendees came together to enjoy the fun and to celebrate the community’s joy in reading.

Mayor O’Reilly was in

attendance and presented the prizes to the child, teen, and adult grand prize winners.

Patrons had fun with karaoke, Dance Dance Revolution, video games, face painting and other activities. Popcorn and punch were available for the crowd’s enjoyment.

In addition to programming at the various libraries, library staff is often invited to other locations to participate in an existing program or to conduct a program themselves.

Examples of this type of off-site programming include book talks given to a club or

group, visiting a school and participating in a literacy fair or a “read-a-thon”, and meeting with a group of parents to present information about the library and its resources.

Additionally, Youth Services staff partnered with the Recreation Department’s Senior Services Division to present two intergenerational story times.

Adult Services Shut-In Services - HFCL Adult Services provides shut-in service for Dearborn residents.

During FY2012-2013, 229 items were delivered to two residents.

Book Clubs - The library currently holds 195 book club kits and the 10-book kits were checked out a total of 335 times, for a total circulation of 3,350. Annually, we spend $3,000 - $3,500 on new kits so that our patrons will always have fresh titles from which to choose.

Interlibrary Loan - During FY 2012-2013, three requests were submitted and filled.

MeLCat – Beginning in February 2013, the library offered library patrons the opportunity to borrow library material from over 400 libraries in Michigan. Between February and June 2013, 527 items were borrowed and 591 items were loaned to other libraries by Dearborn Public Library.

The program is aimed to familiarize public audiences with the people, places, history, faith and cultures of Muslims in the United States and around the world (January 2013)

Launched MeLCat interlibrary loan service. MeLCat is Michigan's statewide online union catalog and resource sharing system. This system will give our patrons access to the collections of the combined holdings of over 400 participating Michigan libraries (February 2013)



Participated in the 50th anniversary of the "Letter from Birmingham Jail" by Martin Luther King, Jr. A book display accompanied a copy of the letter, which was on a table for the public and staff to read (April 2013)



Awarded a $10,000 grant from the National Endowment for the Arts (NEA) to participate in The Big Read. Dearborn Public Library was one of two libraries in Michigan, and one of 77 in the nation, to receive the grant in 2013. Events and activities centered on Jack London's classic novel, "The Call of the Wild," are planned for March - May 2014. The program will be called "The Big Read Dearborn" and is themed "Call of the Wild: EmBARKING on Discovery." Another marketing phrase is "Do you hear the Call?"

Awarded the Bridging Cultures Muslim Journeys "Let's Talk About It" programming grant in the amount of $3,500 from the National Endowment for the Humanities (NEH) and American Library Association (ALA). This award will support adult programs based on the "Connected Histories" theme of books in the Bridging Cultures Bookshelf that we received earlier.

Automation Services

Tech Time - The Tech Time program offered by the Library Automation staff continues to be popular. In total, 16 classes were held in the FY2012-13 with a total of 109 people served.

The purpose of the Acquisitions Committee is to create and maintain documented, upto-date procedures for selection, ordering, weeding, and maintenance of library materials for selectors as well as other staff involved in the acquisition of library materials.

This committee was dormant this year.

ADA Committee The ADA Committee ensures that the library complies with the Americans with Disabilities Act. In addition, the committee strives to ensure that the best possible service, materials, and equipment are offered by the library and staff to the disabled community while balancing the needs of the entire community along with budgetary concerns.

The committee reviews request, comments, and ideas for changes that

would improve services.

The ADA Committee was largely inactive during the FY2012-2013 because ADA compliance throughout the libraries has been largely met and the equipment for meeting the needs of the Dearborn Library’s ADA community is more than sufficient.

Bookletters™ Committee The Bookletters™ Committee is responsible for managing the Bookletters service.

This is a service that allows patrons to sign up for a variety of e-mail newsletters with comments and reading recommendations in a variety of categories, such as fiction, mystery, biography, history, current events, health, home improvement, teen scene, and children’s books. Library Matters, the official newsletter of the Dearborn Public Library, as well as other newsletters listing the many activities scheduled at the Dearborn Public Library are also distributed using this service. During FY2012-2013, we offered 11 staff generated Booklettersincluding the popular Staff Picks. At fiscal year end, the service boasted 3,599 subscribers, a 6% increase from FY2011-2012.

Youth Services Committee The purpose of the Youth Services Committee is to promote reading through programs, collections, and service to children and their families. The committee actively pursues methods of marketing the library and its resources to the community. In addition, the committee reviews all requests for changes in service and shares information in ways to improve service, programming, and library collections. In FY2012-2013, the committee: 

Offered a wide-range of programming for children birth through teens.

The main tool of the committee is the Circulation Manual, which incorporates the Library Commission

policy, system procedures, and sample statements for staff to use in talking to library patrons. In FY 2012-2013, the committee: 

The goals of the Disaster Preparedness Committee are to develop and evaluate procedures for emergencies and disasters that could occur in the Dearborn Public Library system. The following was accomplished during the FY2012-2013: 

Conducted fire and tornado drills at all Dearborn Public Libraries

Ensured that batteries in all emergency equipment were fresh and usable



Ensured that first aid kits were adequately stocked in every agency



Worked with the Human Resources Department to host a city-wide CPR Certification and Defibrillator (AED) Training class (June 2013)



Ensured that all staff emergency contact information was up-to-date and easily accessible



Created new evacuation routes and maps for the Henry Ford Centennial Library Marketing Committee

The purpose of the Marketing Committee is to market the library to the community. This committee also has responsibility for creating and updating general brochures with information about the library system. In FY 2012-2013, the committee: 

Continued publication of Library Matters, now a bi-monthly online publication providing news and information on library services and events as well as essays, commentary and photos by staff members. In June 2013, a subscription to Issuu™ software was purchased which offers a more visually appealing presentation of the newsletter on our website

Discontinued advertising library services on a customized back page of Book Page™, due to the cost of customization and staff time involved with relatively low return

Continued various outreach promotional activities such as talking to community groups and having a library table at the summer Farmers’ Market

Identified two librarians who will serve as the marketing coordinators, one for adult programs and one for youth programs

Security Committee The Security Committee has been created to help develop policy and procedures to ensure the safety of library patrons and staff members.

The Security Committee

Assisted with a major revision of the HFCL security panels and codes on the Mezzanine and in the Processing / CDTV wing of the building.

Serials Committee

The purpose of the Serials Committee is to manage the serials module through coordination, training, creation of procedures and problem solving. Serials are materials that are updated periodically, such as magazines, yearbooks, and directories.

The

Serials Committee did not meet in FY2012-2013.

Social Media Committee The purpose of the Social Media Committee is to create, organize and manage our social media communication on behalf of the library.

The Facebook page was

launched on July 23, 2010 and the committee meets monthly to finesse and monitor

the page, its content, and review the usage statistics. The page currently has over 975 fans and the committee continues to strive to increase its usage and market the library’s services to the public. Additionally, the committee launched a Twitter page in April 2012 and we currently have 162 followers. Furthermore, the committee investigated other social media platforms and worked with the City of Dearborn on their social media policies and processes.

Video Committee The Video Committee has combined with the Marketing Committee and the joint committee works closely with the staff at CDTV supplying them with ideas for video spots about the library. In FY2012-2013, CDTV produced 12 Dearborn Libraries Check ‘em out segments.

Segments included information about The Big Read-Dearborn

program as well as other adult and children’s programming events.

Volunteer Committee The purpose of the Volunteer Committee is to actively recruit, train and retain high quality volunteers for the Dearborn Public Library system. Our volunteers perform a myriad of duties, all of which are an integral part of the library’s operations. Many of our library volunteers assist with collection maintenance. This includes checking, cleaning, sorting, labeling, processing and shelving library material. Other volunteers assist with library programming and fund raising. During FY2012-2013, the library had a grand total of 119 volunteers who contributed 6,956 hours of volunteer service.

In FY2012-2013, the Volunteer Committee: 

Completed work on the revision of procedures for inclusion in the updated Volunteer Manual

Instituted the process of performing background checks for all potential library volunteers age 18 and over



Attended the following programs at the 2012 Michigan Library Association Annual Conference on November 7 and 8: “You’ve Got to Intern It,” which presented options for structuring an internship program, including how to work with local universities to create a program that is beneficial to both the library and the interns and “Supporting Adult Literacy in Your Library,” which demonstrated how to run a successful literacy program at the library using volunteers.

Techniques for recruiting volunteer tutors and partnering with literacy agencies were presented. The feasibility of offering this type of program in the Dearborn Public Library system is being explored for the coming year.



Continued recruitment of volunteers from the Henry Ford Community College faculty. Several faculty members were placed in volunteer positions within the library system.



Instituted a new volunteer program for teens: Teen Advisory Group (TAG). The purpose of this group is to offer teens, especially those who are required to fulfill community service hours for school, an opportunity to gain service hours and experience by meeting periodically to help plan library programs for teens. This program has been quite successful in bringing more teens to the library.



Organized and conducted the annual Volunteer Recognition Luncheon held at the Dearborn Hills Golf Course on May 3, 2013. Sixty-eight attendees enjoyed lunch, a PowerPoint presentation showing our volunteers “in action,” and presentations from the Deputy Library Director, the Mayor and other city officials

recognizing the contributions of our valued library volunteers. Senator Morris W. Hood III also attended the event. As a token of our appreciation, each volunteer received a Dearborn Public Library logo umbrella. A tribute to a long-time FOLD volunteer who passed away this year, Gloria Belanger, was included in the program.

Dearborn Library Foundation The Dearborn Library Foundation volunteer members seek to benefit, promote and enhance the Library systems by building strong public-private partnerships with individuals, businesses, and community organizations that share their mission for creating a stronger library that is meeting the needs of the community. During FY20122013, the Foundation: 

Welcomed new board members Dennis DePaulis, Anne Gautreau, Betty Priskorn and Stephanie Smith. Board members Nancy Auffenberg, Barbara Lukasiewicz and Sonja Wilcox-Berriel resigned during this fiscal year. Remaining board members are President Steve Roberts, Vice President Steve Schroeder, and directors Nabeel Abraham, Mary Jo Crane, Lawrence Levesque and Joe Walsh.



Initiated a fifth direct-mailing marketing/donation campaign.

Foundation Board

members Steve Schroeder, with the assistance of Deputy Library Director Julie Schaefer, was instrumental in the creation of a tri-fold brochure which was delivered to about 10,000 homes in Dearborn. As of June 30, 2013, approximately $13,080 was donated by the community as a result of the resident mail campaign initiated in May 2013.

Friends of the Library Dearborn (FOLD) The Friends of the Library Dearborn (FOLD) is a vital volunteer group that encourages the community’s support of the library. They hold monthly meetings featuring local authors and speakers and mail out a newsletter to all members.

As a dedicated group of volunteers, the Friends of the Library conducts, as its major fundraising activity, the ever-popular monthly book sale held at the HFCL. Proceeds from the book sales subsidize the following programs: 

Blockbuster Film series, which includes the yearly renewal of the Public Performance Site license

DVD purchases for the Blockbuster Film series



Book Page™ publication



Canvas and “green bags” as well as earbuds, head phones and flash drives for sale at all agencies

Without the support of our Friends of the Library Dearborn volunteers, the library would not be able to offer these kinds of special services and programs which are greatly appreciated by the staff and patrons alike.

Website Committee The newly formed Website Committee is responsible for the design and launch of the new library website.

The committee has been working for several months, using
