Radiothon Volunteer Training Guide 2024

ALICE CARES FOR KIDS RADIOTHON FEBRUARY 8, 2024


Heads up! 2024 marks the year of our return back in-person! Please be sure to thoroughly look through these instructions on how to fill out the donation form. Your preparation helps us execute a smooth, fun, successful Radiothon event!


To start a call or donation, click on the bookmark tab titled “Donation”.


“Thank you for calling the Alice Cares for Kids Radiothon. This is _(your name)_, are you calling to make a gift today?” Click ‘Yes’ or ‘No’


At any time during your phone call, DO NOT EXIT THE PAGE. If your call is dropped or ends abruptly, please select End the Call on the left side of the screen.


Select “Alice 105.9” on the next screen.


“Great! I just need to ask you a few questions in order to process your gift.” Fill in all of the boxes, but most importantly fill in: • • • •

First Name Last Name Email – Very Important Phone Number – Very Important; no spaces or symbols between the numbers

Postal Code (zip) Address

Click Save


After inputting the donor’s information, this pop-up screen will appear. Read the donor’s information back to them to verify. If correct, click Accept. If incorrect, click Retry and confirm accurate information with donor. If a suggested correction appears (shown with Postal Code in image), clarify the accuracy with the donor. If the suggestion is correct, click Accept. If the suggestion is incorrect, click Ignore.


“Would you like to pay by credit card or electronic check?” Use drop-down menu under “Payment Type” to select.

There are 3 payment types:

• Credit Card (shown) • E-check (bank account) • Pledge/ written check (Pledge is a “bill” or “remit” payment)


Payment Type Example: Credit Card

Follow the box prompts. Raise your hand if you have any questions; a team member will come assist you.


Payment Type Example: Electronic Check (E-check/ Debit) 1. Enter Bank Routing Number (bottom right corner number on a check)

2. Enter Bank Account Number (bottom middle number on a check)

3. Click Save


Payment Type Example: Pledge

Do not offer the Pledge option unless donor’s credit card or e-check is declined or the

donor insists on this form of payment.


Verify the information on this page with the donor. It is very important that the data entered is accurate.

• Confirm GIFT AMOUNT • Confirm GIFT FREQUENCY If data needs to be edited, click the Re-enter information box. If data is correct, click Continue.


Once the gift has been processed, the “Payment Confirmation” box will pop up. Click Close.


“Thank you for your generous gift and support of Children’s Hospital Colorado!” Children’s Hospital Colorado!

Select the appropriate option for the call. Most calls will be “Donation/Gift.”

CLICK SAVE • If you need help clarifying which option you should select, raise your hand and a staff member will assist you.

*Please note: all donors will receive a receipt. This option is in case the donor has a specific receipt request.


Once you have saved the call information, click on the “donation” bookmark to refresh the form for your next call.


The boxes on the left of the screen are for special requests from donors. Any of these options can be selected upon request from the donor and will need to be filled in BEFORE clicking Save at the end of the call. Examples on next slides


Honor Notify If a donor wants to give in Honor or Memory of someone, click this box. Enter the name of the person the donor wants to honor or remember. As a respectful reminder: In Honor is to celebrate a patient or staff member who is still living; In Memory is to remember the legacy of a patient or staff member who has passed.

If the donor would like the honoree to be notified click on the “Yes” and enter the honoree’s information.


Share a Story A donor will sometimes want to share a story of a patient at Children’s Colorado – past or current. This box is where you may share a brief description of the donor’s story. This information will immediately be uploaded to the live event dashboard; our radio talent and producers will be able to see it and potentially speak about it on-air. Please confirm with the donor that their story can be shared live on-air at the event.


Timing Information:

• PLEASE DO NOT ARRIVE EARLIER THAN YOUR SCHEDULED SHIFT! • Your start time includes time to park, check-in, bathrooms, and snacks & a short training before your shift begins.

• We will provide snacks, drinks and full meals (depending on your shift time) before your shift on the phone. First Responders shift at the 2019 Alice Cares for Kids Radiothon

• Once your shift is over, you are free to leave.


Things to remember: •

Please keep your voices down. Noise travels and escalates quickly in our atrium! • We cannot change the volume of the live-stream radio over the speakers in the atrium, but you may turn up the volume on your phone.

Do not distract anyone with headphones on or a microphone in their hand.

If you need to leave your phone station for any reason (restroom, break, etc.), press the “Hlog” button on your phone and lock your laptop by pressing CTRL, ALT, and DELETE before you go.

We cannot promise that someone will be able to share their story on-air.

When in doubt: raise your hand!
