Reunions – 94

800/964-8600 ext. 3017 or 423/424-4417 www.chattanoogameetings.com

Getting Started… Use the local Convention and Visitors Bureau to help you plan your reunion. The Chattanooga Area CVB (CACVB) represents the entire Chattanooga area and assists reunion planners by checking hotel rates and availability, suggesting activities, providing welcome bags and other printed materials. The CACVB is a one-stop-shop to start your reunion planning and these services are free of charge. Choosing Your Dates Reunions can take place from one day to a week. Most reunions last two to three days and are usually held over a weekend. Decide on the length of time that is appropriate for your group and determine what dates are convenient for the majority of members. If you decide to schedule a reunion over a holiday, allow for extra traffic, crowds and higher airline costs. Hotel rooms should be blocked well in advance for a reunion planned over a summer holiday. Typically, reunions meet annually or every other year. Plan Ahead Give yourself enough time to enjoy the reunion planning. If you are organized from the start, you’ll have less stress. • Determine who and how many will attend • Decide when, where and how long to hold the event • Decide on a budget and how expenses will be covered • Determine pre-event promotion needs

Reunions – 95

Month by Month Guide… 18-24 Months Before Reunion • Survey reunion members and request information, opinions and ideas. Take a poll to determine reunion interest and dates convenient for the majority. • Military reunions should determine if spouses, children or others will be included. • Talk to other reunion organizers to get ideas on where to start the planning or attend a reunion workshop. • Select your reunion dates and times. • Organize a mailing list with contact, email and attendee information or create a Reunion home page to let everyone update their own information. To build attendance, consider that you will need pre-mailers, invitations, follow-up mailings, advertising and more. • Involve others in the planning and form reunion committees with schedules and responsibilities for each committee. Assign specific tasks to members such as budgeting, invitations, menus, activities and decorations. • Develop a budget/bookkeeping system for the reunion. Consider all expenses, including airfare, hotel room, meals, activities, taxes, etc. Decide how much people would be willing to pay to attend the reunion. • Choose a location based on the needs and desires of your group – is a central location best or would it be better to rotate locations? Where have you had the best attendance? Is the location easy to get to? What climate, attractions, amenities are offered? 12-18 Months Before the Reunion • Schedule the reunion far enough in advance to allow people time to arrange their schedules. There will probably be some people who cannot attend on the chosen date but it is better to stick with it if it is convenient for the majority. Remember that you may want to select the same date every year to build consistency. • Name the final decision maker and make sure that contacts know who has the authority to approve plans, request changes, sign contracts, etc. Reunions – 96

• Make a site visit to Chattanooga to help you choose the hotel best suited to your reunion. Make sure sleeping rooms, hospitality and banquet space meet your needs. Meet with sales, conventions services and catering to review contracts, meal functions and breaks. Try to visit at the same time of year you are planning your reunion. • Be prompt in reserving your hotel so everything else falls into place. Most hotels have deadlines on how long they can hold rooms and meeting space. If you wait too long, everything will get booked and you are back to square one. • Choose venues for offsite events – picnics, tours/attractions etc. • Select a theme and use it in everything from invitations to decorations. • Send out a “Save the Date” card or email with tentative reunion information – dates, times, schedule, estimated cost, directions and a response card. • Reserve dates with your vendors well in advance - caterers, tour companies, entertainment and photographers. • Before signing a contract, be sure everything you want is in writing. • Schedule events and activities, including speakers, tours, dancing and a hospitality room. Use the survey responses as a guide in planning. 6-9 Months Before the Reunion • Send a second mailer or email outlining registration costs and including a tentative schedule and registration form with return address. 5 Months Before the Reunion • Confirm reservations for entertainment, photographer, caterer and hotels. The CACVB Convention Services Manager can provide you with a complete list of Chattanooga Area vendors. • Chose your menus, taking special dietary needs into consideration. Inform the catering staff. Decide if you want to have a cash or open bar. • To increase attendance, post your reunion on reunion websites. 2-4 Months Before the Reunion • Meet with the hotel contact and visit event facilities with your reunion committee. Bring a list of prepared questions. • Order printed items like T-shirts, awards, certificates, prizes, banners. Purchase decorations.

Reunions – 97

If there are uncompleted tasks, involve volunteers or other members to complete them. The Day Before the Reunion • Get a list of hotel staff contacts. • Go over last minute problems. Also create a final checklist detailing tasks to be completed during the reunion. • Set up decorations. Reunion Day • Set up registration tables with name tags, welcome bags; set up rental equipment and displays. • Take a vote on next year’s reunion site and ask for volunteers. Survey what the favorite event was and when the group wants to meet again. After the Reunion • Evaluate the reunion. Consider what worked and what did not and make appropriate changes for the next reunion. • Send thank you notes to volunteers, hotel staff, caterers and committees • Send a newsletter with reunion pictures to family members.

The

DOWNTOWN SHUTTLE

423/629-1473 www.goCARTA.org IT’S QUIET. IT’S FREE. AND IT GETS YOU THERE. Few cities can make the claim that convention delegates stepping out the front door of their hotels are at the front door of everything else downtown. Chattanooga can, thanks to the free shuttle system that connects all of our convention hotels with the Chattanooga Convention Center, the shopping district, restaurants, the riverfront and every block in between. What’s more, the shuttle is electric, so it moves people through downtown with zero emissions. No noise. No exhaust. The shuttle is Chattanooga’s method of getting people moved efficiently through the central business district with the Tennessee Aquarium anchoring one end and the Chattanooga Choo Choo at the other. The Downtown Shuttle runs about every five minutes seven days a week. CARTA is now servicing the NorthShore with the addition of the free NorthShore Shuttle, also operated with electric vehicles. The NorthShore Shuttle connects with the Downtown Shuttle in the plaza at Shuttle Park North and takes visitors across the Market Street Bridge to the historic NorthShore district, where they can enjoy fine dining, shopping and galleries. The NorthShore Shuttle runs about every fifteen minutes, Monday through Saturday. Now in its seventeenth year of operation, CARTA continues to receive inquiries about their fleet of electric vehicles from interested city officials from across the world. The Shuttle is proof of Chattanooga’s commitment to clean air for generations to come. Transportation – 106
