CATHY LOVE Allied Health Business Coach Speaker Author Occupational Therapist Hello, I am Cathy, the editor of the Paeds Biz emag. I am the director of Nacre Consulting, a cool business with a weird name that provides services to disability service providers, parents and children. For those of you who are first-time readers, I work as a specialist Allied Health Business Coach helping clinicians run their own profitable and powerful private practices. I have started, grown and sold a large multisite private practice and now readily share what I know with others. We energetically offer workshops, blogs, web events, conferences, networking events and coaching. The podcast is coming early 2017. I am a professionally trained coach and a registered Occupational Therapist with thirty years of paediatric experience. Yes, I still enjoy my clinical work and providing clinical coaching to individuals and teams. Each month we write up news, practical tips, business information, and more. This year we are promoting support businesses and a broader range of guest writers. Suggestions from our readers for topics, writers and content sources are always welcome. Our readership is now international and we would love for you to share Paeds Biz with your colleagues. Curious about my business name? Nacre, pronounced {Nay-Ka}, is the process by which pearls are made. A seed, held in a shell, gradually builds up layers of resilience and iridescence as it is exposed to natural forces. And so the same is true for ourselves, our teams, our businesses and our clients. I believe that we all have endless possibilities for unique growth and brilliance. From the high-piled desk of Cathy Love... There is a lot going on all over my desk and computer at the moment. Wow! Podcast. New clients. Workshops. Conference. Writing. Developing Programs. Reading. Listening. Marketing. Meeting others. I know many of my coaching clients are beautifully busy as well, they are onboarding new staff, supporting clients through the start of the new school year, fuelling up their online and social media profiles, and more. The 2017 vibe is full of energy and positive. It has been an absolute joy to harvest the wisdom of my podcasting guests. I forget how great it is to chat, discover new things, listen to stories—it has been a reminder that I must allocate more time to this part of my work. We can’t wait << insert mild panic>> to launch the first season of our (yet to be named and branded) podcast in April. No pressure!

The masterful Barbara Anderson facilitated the day brilliantly and enabled the powerful group of clinicians to share their thoughts and acquired wisdom with comfort. I now have several lovely follow-up workshops with private practice owners and their teams on how to ‘Dial up your Coach Approach.’ Looking forward to sharing what I know about the amazing technique that is coaching. The conference. I am dreaming about it already. Guest speakers are locked in and the mess of sticky notes on my wall is soon to be transformed into a finalised schedule of allocated sessions. The sponsorship packages are being tweaked, along with a full-on marketing campaign. We have sold tickets already and are humbled by the trust people have in us. Can’t wait. PRODUCTIVITY HACKS:

WHAT YOU COULD BE DOING BETTER

Despite working long and mostly productive hours, my to-do list never shortens. I continue to read, reach out to others, and implement new productivity tricks. Here is my current best thinking on GSD, a.k.a. ‘Getting Stuff Done.’ Default Diary. Management Monday has made a huge difference in my ability to work ON the business not IN it. I use the morning to plan marketing activities, review what’s coming up, develop content, plan new programs and occasionally indulge in a little daydreaming. Most Monday mornings are mobile phone and email free, business owners need dedicated off-tech time. Tuesday is talking day. I make loads of calls to clients, partners, and new people. ‘Time Blocking.’ I block out time in my diary to do specific tasks. I continue to improve my productivity by allocating a realistic amount of time and staying focused on task completion. Writing Paeds Biz is a great example. It takes x hours, I lock it in. I love it once I get started and usually kick it over pretty fluently. My monthly marketing plan is blocked for one hour on the first of the month. I have strict end of month reporting that demands two hours and is supported by checklists, social media metric reports, SEO reports, and more. ‘Colour Coding.’ No big surprise with the OT’ness of this. It allows me see where my paid, creative, management, development, partnership, marketing, admin work is all blocked out across my diary. Productivity and time management apps. Trello is a task management favourite that I have previously written about. Slack is a great communication tool that my VA team uses, as it provides quick sms like messages. I chime into the comms as required. Dropbox is indispensable for holding shared documents, couldn’t live without it. Accountability to others. If I tell somebody that I will have something for them by a certain time, then I am accountable and I deliver. For me this is powerful and simple. Practice management software. There are so many choices now, 30-day free trials and some free lite versions to choose from. Practice management software is a non-negotiable must have for every single allied health business owner. It keeps all your clinical

and billing information in one place, gathers data for reporting, and supports team-wide service excellence. Notes. I dump ideas, conversations, to-dos, and so on, into an old school notebook. At the end of each week I check through it to gather and determine actions. I swap to a new book each month. Yes, I love OneNote and use it for all my deskwork plans and ideas, but I keep coming back to the cheap and cheerful notebook. Evernote is a popular alternative. Ultimately it is not about what you use but, rather, the discipline and consistency with which you use it.

HOW HR COMPLIANT ARE YOU? GUEST WRITER - NATASHA HAWKER

We recently sent out a survey to a number of small businesses in a wide range of industries, to ascertain how compliant they are around current employment legislation – and it made for stark reading. The main issues centred on three key areas – hiring, performance and culture. The main results were as follows: • A significant number of businesses do not review salaries annually – although this is not a legal requirement it does ensure compliance with the Award and also benchmarks the business against competitors, • 86% of respondents had fired someone, predominantly for non-performance or fraud, and 25% had received a complaint raised against them as a result through the Fair Work Ombudsman – this is a significant proportion and could so easily be avoided by following some processes and having documented meetings. For everyone the experience meant a financial penalty, • Over 40% did not know what Modern Award their business falls under – this is a legal requirement and it’s therefore highly likely that you are at risk of a breach with fines of $52k per breach, • 60% did not have a Workplace Health and Safety Policy in place and many were unaware of their legal obligations in this space – this is a high-risk approach, and I would encourage this to be fixed ASAP,

• 45% did not have a company policy on Sexual Harassment, Bullying and EEO, and 86% had not adequately trained their employees on appropriate workplace behaviour – this dramatically increases direct exposure to a claim and damages costs, • 55% did not understand their obligations under Flexible Work and almost half still believed that the parent on parental leave needed to return to work full-time at the 12 month mark – this is not the case – employees can request a further twelve months. They can also request leave up until their youngest child is at school, flexible work, which could mean part-time, a compressed week or working from home, • One great result – 85% of respondents felt that their employee morale was either good or really high – this is a fabulous result and one I would encourage you to continue to build and reap the rewards from. The good news is that this is all easily fixed and does not have to cost very much. The best thing is that it will save you money and, not only that, you will make more money as a business by hiring the right people, firing the non-performers, and building high performing teams. GUEST WRITER - EMMA SAMIA Do you dream of being able to plan and schedule your Instagram posts? If you are like me and thought the only way to post to Instagram was to post directly through the app, you are mistaken. There is a whole world of scheduling tools for Instagram out there, just like there is for other social media platforms, including Hootsuite, Onlypult and Tailwind. We have stumbled across a particular program called Later. How does it work? Later is a simple scheduling and managing tool for Instagram. It lets you plan your content, grow your audience, and share your photos and videos. According to the Later website: “Instagram is different from most other social networks because it doesn’t allow other apps to automatically post for you. In order to actually post to Instagram, you need to have access to a mobile phone or tablet with the Instagram app. Any app that says they automatically post to Instagram for you is violating Instagram’s terms of service, so use them at your own risk!” Why we recommend Later: • Ease of use, • There is a “Free Plan” which allows 30 free posts each month – plan up to one month in advance at a time, • “Search and Repost” - share your favourite posts from other Instagram users, • Simplicity of scheduling - a notification gets sent to your mobile after you have scheduled your post, once you open the notification Later automatically sends your post to Instagram and copies your pre-written caption. Just hit “paste” and you are done!

• “Media Library” - upload, store and manage all of your photos and videos across any device, • Linkin.bio (paid feature from $19/month) - a landing page that resembles your Instagram feed and displays your posts as clickable images. No longer do you only have the option of displaying one link in your profile as each image becomes a clickable link driving more traffic your way. Useful tips when using Instagram for business: • Use relevant #hashtags to expand your reach - by including hashtags on every post, we have increased the number of likes, comments, and followers in a short period of time. HOW TO PREVENT STAFF FROM LEAVING

I get asked about this all the time. And, yes, I have an horrendous story about what a staff member did to me— ask me about it next time we meet. There are some ways to minimise the risk of this happening, and I wish to spare all of our readers this pain.

remind them of their legal and professional obligations. Changing caseloads. Swapping clinicians to new schools and new caseloads each year will change their working relationships and perhaps dampen the inclination to solicit and swoop on your business’s clients.

Having a strong and legally correct and drawn contract of engagement. Yes there will be an upfront cost for this, but as your business grows, this document will be well used. Please seek legal advice. Be sure to include all the relevant restrictions to curtail their activities both during and after employment with your business. Cascading tiers, indicating time and geographic restraints are common. It is critical that you understand this and can clearly articulate it with new and current staff.

Assertively manage relationships personally with all your current and new referrers. They need to know who you are, why you do what you do, and that you are the backbone of the business.

Protecting your Intellectual Property. Your contracts and “Policy and Procedure Manual” should contain information about your Intellectual Property and its use. Most practice management and computer systems have different levels of access you can set. You don’t want staff getting access to your full mailing or client list. It is quite OK to protect your information. Talk to your staff. Make it clear that you are fair and reasonable, but that there is a line that can be crossed in terms of respectful and professional behaviour. Ask them what their intentions are, the moment they give notice its time to contact all their clients personally to assure that you are able to provide ongoing services with a new clinician. Manage the relationships with families, referrers, and schools assertively. During the exit conversations and exit interview

Offer to assist them with the transition into their own private practice. I have heard of clinicians ‘purchasing’ clients from the agency they are leaving. At times it is in the family’s best interest to stay with a particular clinician. Other managers have provided private practice training and mentoring to support clinicians leaving to start their own venture. Now there is a brave proactive rethink, one that I applaud, on the usual anxiety we have around clinicians leaving with ‘our’ clients. It’s important to think out your position on staff leaving with clients. There are lots of ways to be right and, as the business owner, you need to decide, build appropriate policies, and uphold them. WHY USING AN ACCOUNTING SYSTEM

When you started out in your practice, you may have been told to use a spreadsheet to keep track of your income and expenses. Spreadsheets provide the basic information your accountant needs to prepare your Business Activity Statements and Income Tax Returns, but they don’t provide the information you need to grow your practice. You went into practice to make money, right? So, let’s get serious about that and set up your accounting records to provide you with information that is useful to you. Accounting systems are accurate. Xero and other online systems will automatically do the additions so that you don’t need to worry about whether the totals in your spreadsheet are correct. Accounting systems ensure that all your income and expenses are recorded correctly. Accounting systems are based on all the transactions that go in and out of your business bank account(s). This means there’s no chance that you’ll miss a deduction or accidentally omit some revenue. Accounting systems save time. When you use an online system, all the bank transactions will be automatically imported into the system and all you or your bookkeeper need to do is to allocate the income and expenses to the correct category. I have found that clients have saved 50% 75% of their time in this one area alone.

Accounting systems provide up-to-date information. This means that at any point in time your income and expenses is at your fingertips. There’s no need to manipulate the data in the spreadsheet. Accounting systems will make you more profit. When you have access to current and accurate financial information, you can make informed decisions about your practice. You can see whether you’ve made the revenue and profit that you want and identify areas that you need to work on to improve your financial results. If you’re using spreadsheets, today’s the day to switch to an online accounting system. Sure you’ll need to spend an hour learning what you need to do, but you’ll save countless hours in the future.

MADE ACHIEVABLE I constantly guide my clients to promote their services. Often business owners are uncomfortable talking about themselves. They may be unsure of whom to market to, how to do it, and many are cautious about exposing their business to social media. The whole process becomes overwhelming so nothing much happens. We have all been there. Let’s eat the elephant bite-by-bite and get some strategic marketing done. It is important to know who your ideal client is. Who do you really want to work with? Even within paediatric disability services, it is OK to niche, to work with under 5’s, school-age kids, teens, ASD, CP, or with those who have hearing or visual impairments. Families are looking for clinicians that have specialist expertise. We work with children whose parents, typically mothers, will be purchasing our services. Parents with a child with special needs are your target market. We need to understand their mindset, including their fears and problems. This understanding will flavour the words on your website, flyers, cards, referral pads and everything you and your team say and do. It is hard to directly message your target market, so we need to find those who already know them. We call this group of people your market and they are the people your market to. When done well they will be active referrers to your service and they will tell their colleagues. Suggestions include: paediatricians, GP’s, medical specialists, other allied health professionals, childcare staff, kinder staff, school teachers, maternal health nurses, toy shops, etc. Your job is to fully map out your local market and then get in front of them. We are in the business of building trusting relationships. Referrers will need to get to know you, hear you, see you, read your material, meet with you and, most importantly, hear positive stories from your clients. The three P’s can help get your message out.

People – meet with current and future referrers. This is especially important if you lead a team of therapists. You need to be known as the face of the business. List referrers in your practice management software so you can print lists, record all comms, and attach files sent. Pixel – get active on social media, Facebook and Instagram are natural choices. Blogging and newsletters are cool too. Paper – review and revise your flyers, cards, referral pads, brochures, presentation folders, and newsletters for currency and usability.
