Main Purpose of the Job: To undertake a range of administrative duties to support the efficient delivery of services within the Youth Development & Community Sport Department. Job Overview and Context: The Administration _ will take responsibility for all customer enquiries and provide excellent customer service for parents of children that participate within our programmes. Tasks include the maintenance of our online booking system, database maintenance, completion of monitoring reports and updating of participant registers. Is DBS check required? Yes Key Relationships:    

Chief Operating Officer (Youth Sport) Football Development Manager, Community Sport Development Manager and School Sport Development Manager. Development Coach Coordinator. Parents of participants.

Main Activities and Responsibilities: The following list shows the core duties expected: Processes and procedures  Assist with financial procedures. For example: checking and banking money, processing invoices, issuing receipts etc.  Support business processes and procedures relevant to the job role.  Generate monitoring reports and information for use by Development Managers.

Assist with the organisation of meetings, booking rooms and equipment, inviting attendees, collating and circulating meeting papers handouts, minutes etc. Process email via personal and general email accounts, redirecting email where appropriate. Liaising with Facilities Managers across all of our venues to book all Youth Development & Community activities throughout the year.

Customer service  Provide an efficient and polite first point of contact. This includes responding to internal and external enquiries and taking messages for colleagues (via face to face, telephone, email).  Provide information about your service area to internal and external customers. Team working  Work as an effective team member, providing cover for colleagues where appropriate and efficient monitoring reports. General office duties  Maintain office records and filing systems, including electronic systems.  Produce a range of documents as directed, e.g. letters, forms, tables etc. Level of Autonomy and Decision Making: You will report to the Chief Operating Officer. Most tasks will be covered by recognised guidelines and procedures. You will be expected to use initiative when dealing with enquiries and prioritising your work. Relevant Experience

Good standard of literacy and numeracy.

Office experience Has experience of organising and prioritising own workload.

Recent office experience.


Knowledge and Skills

Good working knowledge of Microsoft packages, e.g. Word, Excel, Outlook etc.

Ability to learn new IT packages or systems including web-based systems.

Knowledge and use of general office equipment.

Note-taking skills to record action points in meetings.

Understands customer needs and has an awareness of good customer service. Efficient keyboard skills for use in producing reports, correspondence, documentation, looking up data on systems etc. Ability to maintain accurate records. Understands confidentiality and has an awareness of data protection requirements in the workplace.

Interpersonal and Communication Skills

Good verbal and written communication skills. Professional and polite when dealing with colleagues and customers. Deals with their queries in an efficient and effective manner. Ability to provide accurate advice and guidance to staff and the public on a range of issues specific to our Youth Development & Community Sport programmes. Works effectively as a member of a team and provides support to team members demonstrating a flexible approach. Ability to demonstrate own duties or specific work tasks to other staff. E.g. demonstrate processes and systems etc. Demonstrates a positive attitude, commitment and enthusiasm.

May be required to liaise with external organisations on costs, e.g. for travel, supplies etc. Can deal with customers who may occasionally be angry or distressed, and use own judgement to refer the issue to a senior colleague to resolve where appropriate.
