2024 Bullis Summer Programs | Parent Guide to Camp

Page 1

Welcome to Summer Camp! Dear Bullis Summer Programs Families, Welcome to camp! We are excited for you to join us. At Bullis Summer Programs, our mission is to provide an enriching and engaging experience for every camper by focusing on three core values:

*Safety*

*Fun*

*Learning*

Safety: Safety is of course of utmost importance. We go to great lengths to ensure your children are well cared for and strive to make you and your camper feel comfortable and supported during camp. Fun: Every camp is designed with fun in mind, and encourages campers to confidently try new things, make new friends, and share in lots of joyful moments. Learning: We value learning of all kinds. Camp provides a unique opportunity for children to learn outside of a formal school setting. In addition to a deep exploration into the content of each camp, we aim for campers to experience learning in the form of self-discovery, personal growth, and social development. Overall, we hope your child’s time with us inspires memories that will last a lifetime. Prior to the start of camp, please review this guide for important information regarding our programs, policies and procedures, and updates, as well as the items your child should bring to camp. Wishing you the best summer yet! Warmly,

Danielle Mathers Director of Auxiliary Programs danielle_mathers@bullis.org

Preparing for Camp Registration ●

All required registration forms must be submitted to the camp office no later than one week prior to your child’s first day of camp. These forms can be found in the Forms and Documents section of your CampInTouch account.

Campers must be registered and paid in full to attend camp. A complete application, including all required forms, must be submitted at least one week prior to the first day of camp.

If a camper is waitlisted for a camp, you will NOT be charged the deposit until, and if, you are moved to enrolled status. However, it is required that you enter your credit card information to hold your spot on the waitlist.

Pass Academy Tennis camps handle their own registration and are run separately from Bullis Summer Programs. Visit the Pass Academy website for their registration, refund, and cancellation policies.

Payments, Cancellations, and Refunds ●

If registering prior to May 15, a deposit of $100 per camp session is due at the time of registration and must be paid by credit card. The deposit is non-refundable.

Full payment is due by May 15 for registrations made prior to May 15. Full payment is due at the time of registration for all registrations made after May 15.

Tuition and fees will not be prorated for partial attendance.

Bullis Summer Programs reserves the right to cancel camps. Should Bullis Summer Programs have to cancel any camps for Summer 2024 for any reason prior to the start of the program, Bullis Summer Programs will provide a full refund.

Should a portion of a camp have to be canceled by Bullis Summer Programs for any reason after the start of the program, Bullis Summer Programs will provide a prorated refund.

All payments become non-refundable after May 15. Forfeited fees from cancellations or differences in camp costs cannot be applied to future summer seasons.

Bullis Summer Programs does not offer payment plans.

**Please review our full list of camp policies and procedures prior to the start of camp.**

Health Forms and Medication ●

Completed camper health forms must be submitted to the Summer Programs Office at least one week prior to the start of the camp. All campers are required by Maryland law to have a completed health form on file. Health forms can be found in the Forms & Documents section of your CampinTouch account as well as on the Summer Programs website under the tab labeled “Already Registered.”

Campers taking prescription and/or non-prescription medication while at camp must submit completed health forms to the Summer Programs Office at least one week prior to the start of camp.

A Medication Authorization Form AND an Allergy, Asthma, and/or Seizure Action Plan(s) (if applicable) must be submitted to the camp office prior to any medication being dispensed or brought to camp. The form(s) must be completed and signed by a doctor and can be found in the “Forms & Documents” section of your CampinTouch account.

All prescription medications must be brought to camp in the original pharmacy container labeled with the child’s name, dosage amount, and the time(s) to be given.

Please place medications, a copy of the Medication Authorization Form, and a copy of the Allergy, Asthma, and/or Seizure Action Plan(s) (if applicable), in a plastic bag, clearly labeled with the camper’s name.

Any camper who will be self-carrying and/or self-administering Epipens or inhalers must be cleared by the camp nurse, with signatures from both a parent/guardian and the camper’s physician to do so. No other medication is able to be self-carried.

All medications should be given to camp instructors or the camp nurse on the first day of camp, unless the camper has been cleared to self-carry.

Sunscreen: Staff are allowed to apply sunscreen to campers who need assistance. Make sure to sign the sunscreen waiver through your CampinTouch account. Please send your camper with their own spray sunscreen so they can re-apply during the day. We do not need a medication form for sunscreen. Sunscreen should also be applied at home each morning prior to coming to camp.

Immunization records of campers who attend school outside of the United States must be on file in the Summer Programs Office prior to the start of camp.

Emergency Information Any closure or emergency information will be sent via email and posted on the Summer Programs website, Facebook, and Instagram. A text message will also be sent to any cell phone numbers provided during the registration process.

Weather ●

Bullis Summer Programs will not cancel camps due to inclement weather unless it presents a safety hazard or a loss of power.

In the event of thunderstorms, campers will be moved safely indoors until the threat of the storm passes.

In the event of excessive heat, we make every effort to keep campers well-hydrated, in well-ventilated indoor areas, or in shaded outdoor areas. Instructors carefully monitor the amount of vigorous activity and observe campers for any signs of distress.

Water jugs are provided for outdoor camps, and all camps have an indoor, air-conditioned space assigned to them to provide campers an opportunity to cool off at multiple times throughout the day.

For safety reasons, if a thunderstorm occurs during pickup time, campers will not be released from indoor shelters until 30 minutes after the last sight of lightning/ the sound of thunder. During this time, you must park and enter the building to escort your camper to your car. Bullis staff will provide further instructions in these situations.

Evacuation/ Fire Drills Bullis Summer Programs is required to conduct periodic evacuation drills. All personnel and campers on the Bullis campus will be required to participate during one of these scheduled drills. The purpose of these organized drills is to ensure a safe and orderly environment on the Bullis School campus for all campers and staff. Each camp instructor and director is oriented to these procedures and is instructed to follow them during a scheduled evacuation drill or real event.

Drop Off and Pick Up Procedures Please review the following arrival and dismissal procedures, as they will be strictly enforced to ensure all campers’ safety and security.

Safety ●

Campus is one-way at all times.

We ask that you please drive with care when dropping off and picking up your campers. Please do not exceed 5 mph. Cell phone use is prohibited while on campus.

All campers enter campus through the Falls Road (main gate) & exit through either Democracy Boulevard or Falls Road (stadium gate).

It is imperative that you follow the flow of traffic; please do not get out of the car or attempt to go around another car as it is picking up its camper.

Arrival ●

Campers must be dropped off at their designated drop off location (please see chart below).

When dropping off your camper, please arrive no earlier than 15 minutes before camp starts. When picking up your camper, please arrive no earlier than 15 minutes before camp ends. If you arrive prior to this 15-minute window, you will be asked to park in a designated parking spot or exit campus and return when camp ends.

Please remain in your car at all times unless your camper is in Bulldog Day Camp Junior or Extended Day.

For camps that go off campus (Bulldog Day Camp, Aviation Camp, Wilderness & Adventure, Camp), please be sure to drop your camper off 5-10 minutes before the advertised camp start time. It is imperative that campers are not late for these camps, as they could miss the bus, and the parent would have to drive to the camp’s location to meet up with the group.

If you are running late and your camper will arrive later than 15 minutes after the start of camp, please contact our office.

If you need to drop off your camper more than 15 minutes before the start of camp or pick up your camper more than 15 minutes after the end of camp, we will require you to enroll your camper in Extended Day. Those who do not pre-register will be charged the daily drop-in rate.

Thank you for your support in ensuring a safe, efficient carpool process by following this policy

Authorized Grown Ups are instructed to pick campers up at their camps’ designated pick up areas at the end of the day.
