Benedictine College Parents Association Bylaws

Article I Name This organization shall be known as the Benedictine College Parents Association.

Article II Purpose The mission of the Benedictine College Parents Association is To support and enhance the parent experience at Benedictine College To collaborate as a partner with Benedictine College in the enhancement of student growth and development To facilitate the involvement of the parents in the advancement of Benedictine College

Article III Membership Any father, mother, or guardian of a student attending Benedictine College is automatically a member of the Benedictine College Parents Association.

At the discretion of the Executive Board, any person may become an honorary member of the Parents Association.

Article IV Officer The Chairperson(s) – an individual or couple – duties are to set the date, time and location of Executive Board meetings, to draft and send out an agenda prior to Board meetings and to preside at meetings. The Chairperson(s) will serve as the first point of contact from the College to the Board and Parents Association.

Terms of Office: The Chairperson(s) serves a term of two years commencing on July 1 through June 30. The Chairperson(s) may serve more than one term but not more than two consecutive terms.

Elections: The Chairperson(s) may be nominated by any member of the Executive Board and elected by a majority vote of the Executive Board.

Article V Executive Board Purpose: The Parents Association shall be represented by the Executive Board. The purpose of the Executive Board is to manage the affairs of the Association, to identify, organize and staff projects to benefit the College and to serve as a channel of communication between the College and the members of the Association.

Membership: The Executive Board shall be comprised of no more than 18 members and will include: 1. The Chairperson(s) of the Board 2. Chairs (or co-chairs) of the Standing Committees: Hospitality Spirituality Communications Budget Admissions/Recruitment 3. The Vice President of Student Life serves as the Benedictine College Liaison.

Spouses may act as Co-Chairs of a committee and each shall have a vote.

Parents Association members may be appointed to the Executive Board by the Chairperson(s). Such appointments are subject to ratification by a majority vote of the Executive Board. Any member of the Executive Board may provide the names of parents interested in joining the Board.

Terms of Office: Executive Board members serve a term of one to four years commencing on July 1 through June 30. Each may serve more than one term but not more than two consecutive terms.

Elections: When a vacancy on the Executive Board occurs, any current Board member may give the name/s of Parents Association members who might be willing to serve to the Chairperson(s). The Chairperson(s) shall invite said Association members to attend a Board Meeting to observe. If, after attending a meeting, the said Association members are willing to serve on the Board, the Chairperson(s) may appoint them as members of Executive Board.

The appointment shall be subject to ratification by a majority vote of the Executive Board.

Meetings: The Executive Board shall meet at least four times a year.

Quorum: Sixty percent (60%) of the Executive Board’s members must be present for a quorum to exist and votes to be valid.

Article VI Standing Committees All decisions by the Standing Committees must be ratified by majority vote of the Executive Board. Each committee shall be comprised of not more than twenty (20) members. Each committee shall meet as needed in person, by teleconference, or by Internet.

1. Hospitality Committee Duties: The Committee shall identify and organize volunteers to help with serving at College events including the Freshmen Move-In Day Picnic Lunch and the Family Weekend Rosary and Brunch.

2. Spirituality Committee Duties: The Committee shall work with the Student Life Office in developing monthly prayer intentions and emailing those intentions to volunteers each month. At Family Weekend the Committee will oversee sign-ups for prayer volunteers. The Committee may also organize and schedule a speaker presentation during Family Weekend, after approval by the Executive Board.

3. Communications Committee Duties: The Committee shall work with the College Communications Office to update Benedictine College webpages with timely information. The Chair (or CoChairs) shall communicate with parents as requested by the Student Life Office.

4. Budget Committee Duties: The Committee will work with accounting staff to report Parents Association receipts and expenditures at each Executive Board meeting. The committee will research and analyze proposals for expenditures before presenting them to the Board for a vote.

5. Admission/Recruitment Committee Duties: The Committee will work with the Admission Office to identify volunteers as requested, i.e. freshmen send-off events, etc.

Elections: Chair or Co-Chairs of Standing Committees may be nominated by any member of the Executive Board and elected by a majority vote of the Executive Board.

Ad Hoc Committees: The Chairperson(s) in consultation with the Executive Board may form committees, as needed, to carry out special projects or a specified task. At the completion of the project or task, the committee automatically ceases to exist.

Article VII Parliamentary Authority The rules contained in the current edition of Robert’s Rules of Order Newly Revised shall govern the Association in all cases to which they are applicable and in which they are not inconsistent with these bylaws and any special rules of order the Association may adopt.

Article VIII Amendment of Bylaws These bylaws may be amended at any regular meeting of the Executive Board by a twothirds vote, provided that the amendment has been submitted in writing at the previous regular meeting.

Article IX Review The bylaws of the Parents Association shall be reviewed every four years.
