We enlisted the expertise of event designer Amy Osaba for our recent photo shoot and she went over-thetop! Osaba said she “really wanted to go ‘vintage glam’ for the shoot after having ‘fallen in love’ with the designs of Jay Jeffers,” a california based interior designer. “He uses a lot of vintage pieces but in a clean, new way that feels fresh and glamorous. So I wanted the tables to reflect a that ... but with a little touch of rock and roll.”

ASK A PLANNER Q: I have heard so many horror stories about vendors or items not showing up on the day of the event although there was a contract with the vendors. What should I look for when entering a contract? Going into any form of contract can be a scary thing. Regardless, contracts are a MUST for each and every vendor you are expecting goods or services from (this includes friends and family members). This will give you an opportunity to use the documentation as a reference point during your event planning and as a checklist for delivery on the day of the event. Here are a few key things to look for when reviewing a contract: WHAT ARE THE OBLIGATIONS OF THE COMPANY It’s normal to leave a consultation with great expectations of your vendor, but these can vary greatly from what they are actually obligated to perform. Make sure all contact information is readily available on the contract. You should know exactly with whom you are entering the agreement. NO DETAILS ARE TOO SMALL Do not be afraid to ask for all the detailed information to be listed in your contract. Everything from the day, time, locations, and descriptions of services should be spelled out. For example, if you are getting a centerpiece for each table, find out the exact dimensions of the piece. Basically, never assume you’re getting what you want, rather guarantee it in writing. For instance, if your service requires a certain individual to work your event, ensure their name is stated in the contract to avoid an unfamiliar personality from showing up on event day. UNDERSTAND THE TERMS Let’s say you decide to change the day of your event... Does your contract allow for this with or without penalty? What are your deposit terms and schedule? Make sure that any changes made to the agreement are documented in writing. EXPECT THE UNEXPECTED One major point to look out for is the recourse. Should said services not be rendered as per the contract terms, what is the recourse? If you have an event planner ask them to review your contracts and lend advice. This will alleviate the most common pitfalls associated with any big event. If you are unsure about any of the items or verbiage used, please do not be afraid to ask questions BEFORE signing the agreement. Also, depending on the budget and complexity of the event, it may be prudent to spend a few extra dollars and have a contract lawyer review a contract before you commit your signature. Twenty years ago, recycling was just picking up steam, “earth-friendly” had a decidedly granola connotation and “eco-conscious event” was an oxymoron. Today, all the cool kids are doing it. Planning the ultimate event and keeping it green has become easier than ever in Atlanta, where the city’s top venues just keep getting greener. THE ELLIS HOTEL At The Ellis Hotel downtown, event planners can be confident that the reams of paper they’ve used in the planning process will be recycled, as well as the waste from their event. An event is only as good as the moments that are enjoyed and the shots of the crowd that you can laugh at afterwards. In an effort to get as many unique photos as possible, event planners have often relied on everything from disposable cameras to guests’ personal pics. In this digitally advanced age there is no reason to leave things to chance. With a photobooth or Smilebooth, it’s easier than ever to commemorate your event and get candid photos of your guests. BRING OUT THE KID INSIDE. Photobooths have long been a hit with kids and adults. “When you get inside and the curtain shuts, you feel completely alone and always act more spontaneous than you would for a photographer, so pictures come out happier,” said Bill Ewing, owner of WOW PhotoBooth. Today’s photobooths aren’t like the ones your grandmother used to get into. Now they come with a high-end digital camera that records to a hard drive, preparing pictures while the event is taking place. Then those shots can be posted on the Internet for all to see. The booth, the backdrop, the props, and the center strip on the photo are all customizable. You can even create a save-the-date or invitation using a photobooth.

You can buy a cart full of sweets at any grocery store, but if you’re planning a party that calls for unique, crowdpleasing treats, a dessert bar is the order of the day. Families coming together have long used the concept by bringing assorted pies and cakes to holiday celebrations. Now that trend has extended to the special occasion. WHAT’S THE BIG IDEA? Marjan Yavari, owner of Tasty Pastry in Alpharetta, noticed a need in the market. “Customers that came to me for cakes and pastries also wanted to know who offered complimentary sweets and beverages.” Instead of sending them in search of other vendors, Yavari teamed up with the owners of Peachy Treats Candy Buffet Catering and Dreamy Gelato & Chocolates. The three vendors created a concept that was convenient for busy customers and offered a one-stop shop for a dessert buffet. All three vendors work out of StudioWed, a sophisticated planning cooperative in Midtown Atlanta that accommodates top event professionals under one roof. “The dessert bar is not meant to replace the cake, but add to the experience,” said Yavari, whose company specializes in custom cakes, assorted cookies and mini pastries. The dessert bars can include fruit, assorted gelatos, custom-designed chocolates, chocolate fountains, standard and specialty cakes, cupcakes, cookies, candy, cappuccino, coffee, and loose tea. Anything a guest desires that’s sweet can fit into the assortment. “The key to our addition to the dessert bar is that each chocolate we create is made with the finest ingredients, no preservatives or artificial ingredients added,” said Sukai Crook, owner of Dreamy Gelato & Chocolates. “Also, our artisan gelato is made from scratch, in the true Italian method with flavors that can be customized for any event.”

IS THERE A TYING THREAD? The beauty of the dessert bar is in the variety. Event planners can customize by size, choosing large cakes or bite-sized nibbles; by color-scheme, matching flowers or a company logo; by flavor like chocolate or vanilla; by ingredient like a fruit or nut, or by cuisine be it Southern, Cajun, Italian, or French. You can even put your initials on every goodie, if you like. WHERE’S THE CANDY? Candy buffets are a natural branch of the dessert bar. Besides being a big hit with the kids, with so many types of candy it’s easy to match an event’s theme or specific colors. “A candy buffet brings a wow-factor to an event,” said Heather Norwood, owner of Peachy Treats Candy Buffet Catering. “When people walk into a room and see a huge display of candy, they get really excited.” More and more people are giving away candy and other treats as an alternative to the traditional favor because guests get to pick out what they want and can enjoy their treats right away. If Johannes Gutenberg could see what

today’s innovators were doing with the letterpress he’s credited with inventing about 600 years ago, he’d probably twirl in his grave. While the thorough techniques, personalizing points and enormous equipment from yesteryear still apply, companies like Mirabel Press and Luxe Expressions will continue to raise the bar in the 21st century by raising paper surfaces to unprecedented heights. “The biggest thing is that it’s sort of a lost art form,” says Cody Lekberg, who started Mirabel in North Georgia last November with his wife, Kristen. “The machines we use are a hundred years old. They’re old, cast-iron and beautiful. There’s kind of this mystique that comes with it. Everything we do is hand-done. We don’t get a stack of paper, put it through a machine and run it. Every single piece we do is hand set and hand cut by me. We mix the ink and colors by hand. Everything is very custom. That’s the biggest thing. The printers they use now don’t give you the same effect that a letterpress piece will give you.” It’s that sense of whim that not only sparked the letterpress trend five or so years back, but it’s also the thing keeping the pressed ink industry pressing on right now. Then again, we’re pretty sure all the unique shapes, smells and sizes have something to do with it too. Nor can it really hurt to have the minds behind Mirabel (the apt name means “uncommonly beautiful”) so passionate about the craft, walking clients by-the-hand down the often stressful aisle of formal stationary. “I have such a love for design,” Kristen adds. “Now there’s a whole new element where we’re making the design come alive. The letterpress is so different. It’s so tactile. The paper is awesome. The impression it makes is so beautiful.” Debra Saba, founder and creative director of Atlanta-based Luxe Expressions, knows where the Lekbergs are coming from. Though her career path took her down journalism and consulting roads initially, she’s also kept her eye focused on design. (cont.)

“I feel in love with letterpress because it just reminded me of the old print methods,” details Saba. “You could do something very minor –one ink; a very simple and elegant design- and it makes this beautiful impression into the cotton or bamboo paper. Way back when [the popularity was] the simplicity of it. Nowadays, you can do so much more. You can break the rules with what letterpress said you used to not be able to do. I’m finally watching it evolve as the years go by.” And that may be putting it mildly, seeing as how Luxe’s creations take what Gutenberg started and does things Spielberg couldn’t have envisioned with them. “We do letterpress printing on wood veneer, backing things with fabric and saddle-stitching around it,” tells Saba, whose clients not only include wedding couples, but companies looking for business cards and parents needing bar mitzvah invites. “It’s not just about the letterpress. I’m really into the finishing work, whether it be etch painting or stitching with yarn.” Luxe approaches each task in a formal, step-by-step design process. Mirabel has a more relaxed, share-a-Coke-on-the-step way with its clients. First birthdays are often treated as a formality, but for Cydney Victoria Pace, nothing less than the best would do. The inspiration for the party came from Cydney’s outfit, a navy blue silk dress with hot pink tulle. The gorgeous dress took on a new life through the theme “Sugar and Spice” after the popular children’s poem. Luxe Expressions used the color scheme of navy and fuchsia to design the invitation and monogram that were used throughout the party décor. Entertainment was the order of the day with a bubble man, magician, and craft tent with Elegant Event Sitters stationed around the event to enchant children and adults. EMMA WEINSTEIN Emma Weinstein looks like a young Audrey Hepburn with her vibrant eyes and lush dark hair. And just like Holly Golightly, Emma loves Tiffany’s and their distinctive blue. So it’s no wonder that event planner Sharon Fischer came up with “Emma & Co.” as the theme for her Bat Mitzvah, which was held at TWELVE Atlantic Station. When Emma arrived at the party in her Betsy Johnson dress, the DJ from Event Ovation played a disco remix of “Moon River” as Emma tossed faux pearls at the excited audience. Guests were treated to tasty Tiffany-tinis, glamorous Tiffany-esque displays of jewels, and a photo station with a fashion magazine inspired background. Artists were on hand to gussy up guests with airbrushed tattoos and crystal gem body art. Photographer Ric Mershon pre-printed a book of guests’ photos that Emma’s friends signed during the gala, so she could have a priceless reminder of the day. The kids also used engraving wands to sign a commemorative tray for Emma. In keeping with the movie theme, a breakfast was passed before guests took home Tiffany blue scrub pants imprinted with Emma’s custom logo.

PORSCHE PANAMERA real corporate event When the iconic car maker, Porsche, planned to unveil

it’s latest vehicle and first four-door sedan, the Panamera, the event had to be top of the line. Executive Producer Dana Dabruzzi with Affairs to Remember Caterers teamed up with WM Events to create a stunning reveal of the Panamera. The event took on an air of luxury starting with the venue - The Manor, which is a private mansion in Buckhead.

The night’s sumptuous three-course dinner was designed and executed by Chef Colicchio’s Craft Restaurant. The exclusive evening concluded with a multimedia presentation of “Georgia on My Mind” by the impressive Burmester stereo system accompanied by singer Jennifer Hanson and a twenty-person gospel choir. In all, it was the Porsche of special events.

LINDSEY AND BEN When artist Lindsay Mahaffey O’Dell began planning her dream wedding, she started with the symbol of her relationship with Ben. “I asked to see butterflies as a sign that we were meant to be together and ever since our lives have been surrounded by butterflies,” said O’Dell. From Lindsay’s vibrant bouquet by Bloom Floral Design to artful handmade party favor cones and CDs, whimsical butterflies punctuated the event. Ferns, acorns, rosemary and other fall accoutrements were also incorporated into the décor to give the event a woodsy feel. The bride’s cousin entertained guests with classical guitar in the lush garden during the cocktail hour and The Mighty Kicks! got the party going during the reception. There was even a special surprise for the bride. “After having a private moment and a quick bite inside The Trolley Barn, we were asked to join our guests in the garden,” said O’Dell. “Besides the indescribable feeling of seeing hundreds of faces of family and friends who love and support us, we were greeted by the gorgeous fluttering wings of Monarch butterflies.” With the expert planning of Ashley Hess of On the Plantation Events, Lindsay and Ben’s wedding was truly an artistic affair to remember.

real charitable event The Arthritis Foundation’s Crystal Ball supports the Foundation’s mission by raising awareness and funds for arthritis research and programs like Camp AcheAway, an annual summer camp created especially for children living with arthritis. Since its inception in 1982, the Crystal Ball has raised nearly $7 million. It is the most successful fundraising event of the Arthritis Foundation’s Georgia Chapter. On October 24, 2009, the 28th annual Crystal Ball was held at The RitzCarlton, Buckhead and was themed “A Celebration of Gratitude.”

The night was an elegant affair,

which included one of Atlanta’s most exclusive silent auctions. Guests were served exquisite fare created by the legendary caterers at The Ritz and danced to sweet music by The Del Baroni Orchestra. Flowers and the rich fall décor were provided by Tony Brewer & Company. Tony Brewer was not only a vendor at the event, he was also the Crystal Ball Honoree, recognized for more than 10 years of service and dedication to the Foundation. Coca-Cola Enterprises was recognized as the Corporate Champion for its partnership in helping the Arthritis Foundation achieve its mission. If the goal is an outdoor event overlooking the city for a very Atlanta-centric view without being in the same old four walls, Ettleman suggests that the Four Seasons Fifth Floor Terrace might be just right. The J.B. Fuqua Rooftop Pavilion on top of the Atlanta Metro Chamber of Commerce building downtown is another open-air option featuring 360 degree views of the Centennial Olympic Park area. Kari Gibson Hackett, the Vice President of Member Services & Special Events for the Chamber credits the Pavilion’s popularity to the relaxed atmosphere of an open-aired venue with a gorgeous view. Though there’s a discount available to Chamber members, the Pavilion is also avaialble to the public. At the Buckhead Club, also available for private events for both the general public and Club members, Philips generally finds that events in her glass-walled ballroom don’t require as much decor as in other venues, because so much emphasis is placed on the view. Though there’s no outdoor terrace, there is a unique lookout point jutting from the ballroom that provides an incredible backdrop for photos, as guests are almost completely surrounded by the city. 88 | ATLANTAOCCASIONS.COM

In it’s current location for just over a year, Philips says she’s definitely seen increased interest in the Buckhead Club event to ceiling windows without any columns blocking the view of downtown Atlanta, Stone Mountain, or the iconic buildings of Buckhead, depending on which way you’re facing. “The trend is moving towards focusing on the view,” she said. “Being able to see the world from above is always appealing.” At the Glenn Hotel, Sherman has found that most Atlantans booking her venue for a private event “feel very special being above it all. You feel like you’ve arrived somewhere,” she said. “It’s an extraordinary way to surprise and treat your guests,” she explained. “There’s nothing like being above the city, part of the excitement.” The Glenn also offers a private elevator that zips right up to the rooftop, allowing party guests to enter the space

Sherman belives that rooftop event venues are growing in popularity even outside of Atlanta. “The trend is growing all over the country because people love to be outside. If you can be on a rooftop with a phenomenal view, why not?” she asks. Why not, indeed. Across Atlanta, rooftops are heating up, despite the cool weather. In almost any section of Atlanta, there’s a stunning rooftop venue waiting to host it’s next event, personalized by the host, of course but made unique by the views of the amazing city we call home.

When I was asked to interview my choice of any event pro in Atlanta and find out what really makes them tick, I immediately thought DJ! They’re the ones that pump up the volume and pack the dance floor. After calling several planners plugged into Atlanta events, I kept hearing one name as the must have spin-doctor – Joel Rabe. Joel is the owner of Lethal Rhythms, a professional MC and DJ service. That’s his title, but what I found was that there’s more to the man than just music – there’s a passionate professional and a practiced artist who’s not afraid to tell secrets.

How did you get into this biz?

I started early. When I was in the 3rd grade, I would call the radio stations and dedicate songs to my friends. Then I’d record those dedications and use them as the start of my mix tapes. Later, I worked as a marketing strategist for an organization that opened up clubs throughout the United States. I trained MCs and DJs for five years - spinning four or five nights a week in different regions. I knew that the wedding, social and corporate event market was where I wanted to be, but it was a question of timing. In 1999, I relocated to Atlanta and found the the event market booming.

What’s your motto?

When a man with passion combines with purpose, his trajectory becomes destiny.

Tell us one thing about yourself that no one knows.

What no one knows…hmmm...that’s tough because it’s hard to keep something from everyone and then divulge to every reader! I can say very few people know I’m a poet. I’ve written poetry off and on since the 9th grade. And I’m pretty sure no one knows that I spend hours every night listening to music, categorizing, and building on my art. Poetry is putting together words in a way that gives them rhythm and moves people. And that’s exactly what I do when I put music together. I’m creating a rhythm that rises and falls and stirs emotions in people. And, to me, it’s the greatest performance art there is.

Lady GaGa or Madonna?

Lady GaGa is the Madonna of 2009. She’s setting cultural trends that challenge and push the current boundaries, but Madonna has lasted and continues to change, grow, and adapt. I’m not sure yet, but I think Lady GaGa will have a real challenge accomplishing what Madonna has. Madonna is fashion and trend. Lady Gaga is fashion and fad, but I’m still pulling for her.

What’s the best song to get a crowd going?

Fortunately, there is no one right answer. This is where we come in as artists. We identify the music that works for a particular group/situation. There are great artists whose songs you can drop once the party is rocking and start a frenzy. I challenge my staff to play songs people love, but may have forgotten. Instead of playing “Billie Jean” by Michael Jackson, why not play “Wanna Be Starting Something”? We put together songs in such a way that within a few tracks, you will have a packed dance floor for the rest of the night.

If you were a dance move, what would you be?

Ha! Overall, I couldn’t be one dance move but a series of moves...an entire dance…a creative dance that tells a story. I guess I’d have to be something like Thriller.

One thing you wish every person knew?

We at Lethal Rhythms are artists and we are chameleons. If you see us doing one type of music it is easy to assume that is what we always do. But don’t be fooled! Speeches given at events should be three things – informative, short and snappy, and personal. Talking in front of a crowd can be terrifying even for the most outgoing personality. It’s also a lot of pressure. You want to do a good job for the honoree(s), please the crowd, and not end up looking like an imbecile. To prepare yourself for your next speech, do these three things and you cannot fail.

INFORM Announce yourself to your audience. Say hello, good evening, or whatever greeting you prefer, and then state your name and relationship to the honoree(s). This is an important and often forgotten element. Don’t assume that everyone knows who you are. If you are the host or chair of an event at say a charity ball, be sure to do a thorough job of welcoming everyone and talking about the cause you are there to support. Even if most of the crowd already knows this information, it is still the strongest and most natural way to open a speech.

PREPARE It is always better to deliver a brief memorized speech from the heart, but for the non-orator, this can be nearly impossible. If you can’t go without notes, jot down key points for your speech on note cards, but try not to read them word for word (ladies, I’m talking to you) as the delivery will sound

PERSONALIZE Nothing bores a crowd more than canned verbiage and clichéd statements of affection (Kiki is the best!). A funny story is always appreciated in a speech, but unless you’re at a bachelor/ bachelorette party, most funny stories (like the time she flashed the football team and woke up naked on the front lawn) can be overly racy or the you-hadto-be-there kind. Tell a hilarious story if you can, but if you can’t, be sure to personalize your speech by telling something positive about the honoree(s). A little kindness goes a long way. When it comes to speech making, it’s the brevity, the preparation, and the thought that counts. You don’t want to be the one who says the wrong name and delivers an infamously terrible tribute.
